But how do you transform a heap of information into a well-structured presentation you can’t stop reading? There’s a structure you can follow.

3-step process for organizing a magnetic presentation:

1. Prioritize content

Your presentation should immediately capture interest and demonstrate relevance before moving on to establish understanding .

A) Build interest:

Begin with a strong hook that grabs your audience's attention. This could be an intriguing statistic, a powerful image , or an engaging question. It should stir curiosity and make your audience eager to hear more.

B) Establish relevance:

Once you have their attention it's time to establish why your presentation matters to your audience.

Address your audience's main concerns. Make sure your content directly speaks to these pain points, and address them in order of importance.

2. Build anticipation

A great presentation is like getting a new car – it builds anticipation, takes you on a thrilling ride, and ends with you wanting to share the experience with all your friends.

Start with a compelling problem your audience relates to and follow up with a promise of an amazing way they can solve it. This problem-solution dynamic creates a suspense that keeps your audience glued to your presentation.

3. Use a story framework

Finally, use a story framework to give your presentation structure and flow.

Begin with a big idea that underpins your presentation. Then delve into the problem, showcasing why it needs attention. Present your solution, painting a vision of a better future for your audience.

Weave in concrete examples of how your solution changes lives.

Tell the story of WHO you helped, WHAT the situation was before and after your solution, WHERE and WHEN it happened, WHY it worked and HOW it made them feel.

In your career as a business professional, there’s a good chance you’ll be asked to give a presentation, be it in the office or at an event.

So we’ve spoken to experts across several industries who shared some presentation tips that can help you overcome the fear of public speaking, which affects 75% of the general population .

A great presentation is one that starts off in a compelling manner that grabs the audience’s attention from the start.

It maintains a clear and structured narrative throughout, seamlessly transitioning between key points while incorporating engaging visuals to reinforce each idea.

In the end, a great presentation leaves a lasting impact that inspires and empowers the audience and encourages them to take action, both in their personal lives and in their surroundings.

Here are five elements of a great presentation.

"All the advice I gave in the presentation was peppered with personal anecdotes and examples, which made it more meaningful and memorable. I ended up having the top-rated talk at the conference based on audience feedback.”

Doty’s not the only person who thinks stories are a great vehicle to deliver the message of your presentation. Cody Candee , the founder and CEO of Bounce shares the same sentiment: sharing stories = connecting with your audience.

“Many presenters make their data the focal point of their presentation, but this approach fails to take into account how people connect information to their own experiences or how the human brain creates relational memories.”

Candee continues: “Talking about your own personal experiences, employing mild self-deprecating humor, and adding observational tales can create the connection between the data you are dispensing and the parts of your audience’s brains that take in and store information."

"Adding storytelling to your presentation helps you move away from sterile data distribution and toward the human element that makes your data meaningful.”

"However, as soon as the audience figures out that you’re reading the text, it reads ahead of you because it can read faster than you can speak. The result is that you and the audience are out of sync.”

Kawasaki goes as far as saying that many presenters use small fonts because they haven’t memorized their presentations well enough. His solution? Use a font no smaller than 30 points.

“I guarantee it will make your presentations better because it requires you to find the most salient points and to know how to explain them well,” Kawasaki writes.

Note: Using a font size of 30 and above in your slides is also beneficial for audience members who have visual impairments.

9. Show your passion.

Have you noticed that it’s quite easy to spot when someone is actually excited about the topic they’re presenting — as opposed to someone who doesn’t care?

That’s because passion can’t be faked.

You can spend months getting the outline, words, and delivery right for your speech, but if you aren’t fascinated by what you’re presenting, the audience will catch on. You can’t expect people to be enthusiastic about your presentation when you aren’t excited yourself.

Showing genuine passion for your topic fosters a sense of intimacy between you and your audience. Your listeners will catch the “excitement bug” from you and become interested in what you have to say.

Pro tip: Before you give a presentation, take awesome time to remind yourself why the topic is so fascinating to begin with. When you know why, you’ll be able to pass on that energy to your listeners.

10. Develop stage presence.

The first time I had to give a speech, I was eight years old, and the speech was directed to my elementary schoolmates. My heart was beating so fast, and my hands were shaking.

When the time came, I stood in front of the crowd, stared at some tree in the distance, and reeled off the entire speech without moving a muscle.

My stage presence was zero. Nothing.

If you’re reading this, chances are, you’re not in elementary school, and you’re about to give a serious presentation. While standing stiff as a board with your arms stuck to the sides of your body won’t cut it, you don’t need to do too much either.

In his piece, Chris Anderson, TED Talks’ curator, wrote, “Getting the words, story, and substance right is a much bigger determinant of success or failure than how you stand or whether you’re visibly nervous. And when it comes to stage presence, a little coaching can go a long way.”

According to Chris, the biggest mistake people make with their stage presence is moving their bodies too much.

"People do this naturally when they’re nervous, but it’s distracting and makes the speaker seem weak. Simply getting a person to keep his or her lower body motionless can dramatically improve stage presence.”

Pro tip: If walking around the stage comes naturally to you, you can do that. If not, it’s best to stand still (not stiffly) and rely on hand gestures for emphasis.

11. Engage with the audience.

Earlier, I mentioned that you can start off your presentation by asking your audience questions. Well, the engagement shouldn’t stop there; it should continue throughout the entire presentation, however long it is.

There are many ways to engage with your audience. The most common method is to ask questions they can easily answer. How many of you have experienced this? Can you raise your hand if you’re familiar with this situation?

You can ask direct questions to your audience members to explain a point. Or you can use a person from the audience (whose name you should know) to illustrate a situation or an idea.

12. Practice, practice, practice.

Reading your entire presentation from a slide deck is a recipe for disaster. Slide decks (and other visual aids) are meant to be complementary, which means you’ll have to memorize the bulk of your speech.

“The only way to give a relaxed talk that sounds like it isn't rehearsed is to rehearse it a lot,” says Dr. James Whitehead, the CEO of My Green Window .

“When you can relax a little and rely on muscle memory to do most of the talk for you, you will be able to enjoy the experience and build a more positive relationship with the audience through your body language and clear pronunciation.”

Dr. Whitehead is right. Practice makes perfect. After writing out your presentation speech, you’ll need to practice continually until you know the speech inside out.

There are several ways to practice your speech, including:

  • In front of the mirror (it’s cliche, but it works).
  • Doing mock presentations to your friends and family.
  • Rehearsing your presentation with your colleagues.

Pro tip: Choose a quiet place to memorize your speech so you can concentrate. If you’re rehearsing in front of others (friends, family, colleagues, etc.), ask for honest feedback. You’ll know where to improve. You can also time your presentation so you’ll know how long it’ll take you to deliver it.

Bevy’s talk encompasses all the elements of a great presentation, starting with her opening line, “I am a late bloomer.”

This is a strong start because it’s hard to imagine that Bevy Smith, a prominent TV personality and business professional, didn’t achieve success early in life.

Throughout her presentation, Bevy shared personal anecdotes with the central idea that you can be whatever you want to be, no matter how old you are.

She spoke confidently about how, as a 38-year-old fashion advertising executive, she quit her job when she realized that she was unhappy with her life. She segued into telling uplifting stories about her 94-year-old mother, Lolly, who’d always known what she wanted and who she was at heart.

During the presentation, Bevy peppered her speech with funny quips, like calling Jay-Z a Brooklyn poet and talking about how ‘Black don’t crack’ in the segment about the literal beauty of aging. So, while she didn’t directly ask interrogative questions, Bevy still interacted with the crowd through humor.

For her closing statement, Bevy challenged the common maxim, “Be your most authentic self,” by asking thought-provoking questions like: “What if you don’t really know who you are because you’ve suppressed your inner self?”, “Who am I at my core?” and “How am I perceived — and how would I like to be perceived?”

This is the train of thought that’ll linger in the minds of the audience after Bevy’s long left the stage. That’s her call-to-action.

Throughout the entire presentation, Bevy used no slides. She didn’t move around a lot on the stage, either. Instead, she relied on the power of her voice, her gesticulations, and the substance of her speech to make the necessary impact.

And it worked superbly.

Give a Powerful and Impactful Presentation

Giving a great presentation is a daunting task, but it isn't exactly rocket science.

Quite a lot of people experience presentation jitters, but you can drastically reduce your chances of delivering a bad presentation by following the tips outlined above.

While every audience is different, a general rule is that knowing your topic in and out and practicing your speech well ahead of time will give you the confidence you need to give a great presentation.

Don’t forget to enlist the help of your friends, family, and colleagues; they can look over your slides, help you predict audience questions, and give you pointers on where to improve.

Ever been to a really bad presentation? You know, the kind where the speaker stands behind the podium, uses slides that mirror what he is saying directly, and includes lots of data tables to validate his position.

But. "What's so bad about that?" you ask. "Isn't that how most presentations are given?" Yes. That is how most presentations are delivered, but that doesn't mean that's the most effective way to deliver them. This kind of presentation risks boring your audience to the point where they start wishing for a fire alarm to go off so they can escape. And once you lose someone, it is next to impossible to bring her attention back.

If the information you are presenting is important enough for you to deliver orally, then it demands an appropriate amount of planning and preparation so that the information you present is memorable – for the right reasons. Give a bad presentation and you'll be remembered all right: it just won't be the type of impression you want to leave in anyone's mind.

When someone presents well, it sends the message that the person is capable, confident, intelligent, and competent. These people get noticed and that type of attention bodes well for your career. Even if you don't make formal presentations in your current position, think about the future and keep in mind that you do have to present your ideas and opinions on a daily basis. The same basic principles of effective delivery apply.

1. Connect With and Understand Your Audience

To deliver a great presentation you have to consider the following audience characteristics:

  • Profile – Who are they? What is the common element that brings them together?
  • Needs – Why are they attending the presentation? What do they need to know after you've finished?
  • Wants – What do they want from the presentation? Do they want to increase knowledge, learn something or be entertained? How can you connect their interests with your message?
  • Expectations – What do they expect in terms of content and length?
  • Current Knowledge – How much explanation do you need to provide? What assumptions can you make?

When you know your audience, you can prepare content that appeals to them specifically. If you pass over this first crucial step you risk delivering a presentation that is content rich and relevance poor.

2. Prepare Your Content

Now that you know who you are presenting to and why they are there, you can determine what to present. Here are some tips for content preparation:

  • Don't try to cover everything. As Voltaire said, "The secret of being a bore is to tell all." Great presentations stimulate thoughts, questions, and discussion. Develop your content so that it covers the main points but leaves room for the audience to apply the information to their own circumstances.
  • Start off well with a great hook – you only have a few minutes right at the start to fully engage the audience. Don't use this time to present background information. Get your audience charged up and eager to listen. Make the relevance immediately obvious.
  • Also, start by telling your audience where you are heading. Don't make them wait for your conclusion, tell them up front what your premise or purpose is. This helps your audience stay focused. They may or may not agree with you at the start, but they will be able to quickly spot all of your supporting arguments.
  • Your presentation should have five to seven take-away points. This follows the chunking principle , which you can learn more about here .
  • Tell a story, make comparisons, and use lots of examples. Be sure to mix up the type of content to stimulate audience interest.
  • Present your ideas logically using supporting evidence as necessary.
  • Provide only as much background information as needed.
  • Outline actions or next steps that are required.
  • Develop a strong close, including a summary. Bring your conclusions back around to audience need and the hook you created. Consider ending with a question designed to stimulate further discussion.

3. Deliver Confidently

There are two main aspects of your delivery: your visual aids and your style. We'll look at them separately.

Unless your presentation is very short, you will need some sort of visual aid to keep the attention of your audience. There is a fine line, though, between drawing attention to your points, and distracting the audience from what you are saying. Here are some key factors to consider when designing slides:

  • Keep slides simple and easy to understand.
  • When explaining, start with the overall concept and then move to the details.
  • The information on the slide should add value to your presentation or summarize it – it is not meant to be your presentation.
  • Ensure that any charts, graphs or tables you include are very simple and easy to read. Use them sparingly.
  • Use images (clip art and photos) sparingly and make sure the image means something and isn't just there to fill up space.
  • Use pleasant color schemes, high contrast, simple fonts, and bold and italic to add meaning to words.
  • Don't use fly-ins, fade-ins or outs or other animations unless absolutely necessary to really emphasize a point. How many times have you been put into a hypnotic state watching words or lines fly into a presentation?

Delivery Style

The way you deliver the content is often what makes or breaks a presentation. Here are some pointers to remember:

  • Use gestures for meaning, not for comfort. Try not to talk with your hands or move about carelessly. Everything you do should have purpose i.e. gesture to the visual aid to draw the audience's attention.
  • Pause for effect after main points or after you present a visual aid.
  • Step out from behind the podium and connect with your audience – make sure you have a remote control device to change slides or cue other types of visuals.
  • Talk loudly enough for people at the back to hear, or use a microphone.
  • Make eye contact and hold it for three to five seconds. Any less and it looks like you are merely scanning the crowd.
  • Be passionate – show your audience that you care about what you are saying.
  • Consider putting up a blank or low-content screen between slides – this puts the attention where it should be: on you!
  • Change your pace and style from time to time.
  • Be natural – don't try to be a comedian if you're not.
  • Finish early rather than late.

When you present with confidence and authority, your audience will pay attention and react to you as someone who is worth listening to. Fake it if you need to, by turning your nervousness into creative and enthusiastic energy.

4. Control the Environment

You won't ever eliminate all sources of problems, but through diligent planning and preparation, you can mitigate your risks.

  • Practice, practice, practice: The ultimate goal is to deliver your presentation note-free. Short of that, you want to be sure you are comfortable with the material and that nothing comes as a surprise. Consider practicing in front of a video camera and reviewing your delivery. Don't take short-cuts here because it shows! The point is for the presentation to look effortless – when you struggle, the audience focuses on you, and not on what you are saying.
  • Keep the lights on: when you darken the room, the screen stands out, not you. And it also encourages sleep, which you want to avoid at all costs!
  • Always have back-ups and a backup plan. What if you forget your material? What will you do if the CD won't load? What if the equipment doesn't arrive on time? Plan for as many contingencies as possible.
  • Dress appropriately for the situation – find out in advance what the dress code will be.
  • Have a policy for answering questions – let your audience know when they can ask questions so you aren't inappropriately interrupted.
  • Finish on time, every time. Last impressions are just as important as first ones.

Presenting is not a natural activity and to do it well requires careful thought and lots of practice.

You can choose to be average, or even below average, by simply emulating what most other presenters do. Or, you can take your presentations to the next level and leave your audiences with a powerful message that they remember, while keeping them interested and connected from start to finish.

To do this you need to pay strict attention to your audience analysis, content preparation, delivery style, and the external environment. When you control these for optimum audience relevance, interest, and engagement you are ready to deliver a great presentation.

It’s 2am.

You’ve got a huge presentation tomorrow, but you’re afraid to go to bed for fear of having an on-the-stage-in-my-skivvies level nightmare about the big day. We’ve all been there. Learning how to make a presentation (without breaking out into a cold sweat) takes practice.

In our experience, a serious case of the jitters is best fixed by a serious injection of expert wisdom.

We’ve gathered the best advice from experts like Tony Robbins, Steve Jobs, and Guy Kawasaki on how to make a good presentation great, along with insider knowledge on both designing and delivering a presentation.

How to make a good presentation.

Making a good presentation starts with crafting the content. No matter how compelling your message is, if you don’t get it out of your brain and on to the screen in a simple way, you’ll be met with a sea of blank faces. So, where to begin?

1. Create an easy-to-follow structure

When it comes to what you have to say, break it down into three simple sections: your presentation needs an introduction, body, and conclusion.

A compelling introduction . Your introduction needs to briefly sum up what you’re going to talk about and why it’s useful or relevant to your audience.

Offer a body of evidence . The body of your presentation is where you hit ’em with the facts, quotes, and evidence to back up your main points.

Sum up with key takeaways . The conclusion is where you loop back to your original statement and give the audience some key takeaways on how they can put into practice what they’ve learned.

  • No more than 10 slides in total . Who wants to sit through pages and pages of slides? No one, that’s who. By keeping your slide deck to 10 slides, even if your presentation is 30 minutes long, you’ll give the audience a chance to digest the on-screen messages in line with your talk. Using  concept maps  before structuring your slides can help keep to the point.

2. Limit the amount of copy on each slide

Less really is more, especially when it comes to making a good presentation. Too much text and the audience will just be reading the screen instead of looking at you and feeling the emotional impact of your message.

No more than six words per slide . Marketing king Seth Godin says we should have just six words per slide – that’s not a lot of copy. Choose your words carefully and rewrite until you’ve got it just right.

  • Think ‘bite-size’ information . We called ourselves Biteable a reason: studies show information is retained better when it’s broken down into bite-sized chunks. Video is a great way to do this, and research suggests it’s  95% more compelling than text.  Consider adding video to your presentation strategy. But regardless, break your information up into smaller, palatable pieces.

3. Be savvy with design details

A well-thought-out design can make all the difference between a good presentation and one that falls flat. Consider these design standards as you make your presentation.

Use color sparingly . Bright colors can dazzle, but too many can be off-putting. Use the colors most relevant to your message. We’d recommend sticking with one or two (not counting black and white) for your palette so it has a consistent look and feel.

Be consistent with your font . Consistent design makes you look more professional. Don’t switch between caps and lower case, Times New Roman and Comic Sans, or 8 and 30 point text size. Stick with one font and one size throughout. You can vary the emphasis with your words later, but keep your on-screen text uniform for a more cohesive message.

  • Format for perfection . A wonky line on a slide or a badly pixelated graphic will put some people off, as it will look like you haven’t tried very hard (or worse, that you just aren’t very good). Make sure your text is aligned and neat like in the example below.

4. Polish several times

Just like a pair of well-worn shoes, a good presentation often needs a few rounds of dusting before it’s shiny and sparkly.

Start Messy . Don’t be afraid to start messy. Using a non-linear writing tool like  Milanote  allows you to explore and outline your initial ideas in a flexible way before you even open up PowerPoint or Keynote. Arrange your ideas side-by-side and discover new connections that you didn’t see before.

Edit ruthlessly . At first you might have a huge amount of information and will wonder how you’re ever going get it down to six words per slide. That’s OK. Keep editing ruthlessly until you’ve pared your message down to the bare essentials.

  • Get someone else to look at it . A fresh pair of eyes can work miracles when it comes to refining your presentation. Get a trusted mentor or colleague to review your work. If you don’t know anyone who can help, an online writing assistant like  ProWritingAid  or  Grammarly  can help you weed out a lot of problems.

How to give a good presentation

How you deliver your slides is as important as their content and design. Here are some quick pointers to help you get your message across with impact.

5. Have a strong opening

How you start and finish your presentation is extremely important. Audiences usually make up their minds about someone in the first seven seconds, so make those first moments count.

Be different . You’re doing a presentation about saving tree frogs in Costa Rica. You open with an amusing story about one that escaped on a  bunch of bananas  to the UK. A story like this is different and unexpected for your audience, so they’ll sit up and take notice.

Ask a question . Rhetorical questions are a great way to frame a topic and introduce ideas. Martin Luther King Jr. said: “There are those who are asking the devotees of civil rights, ‘When will you be satisfied?’”

  • Tailor it to your audience . How much do you know about your audience? The more you know, the better. Especially if you know their likes and dislikes. Inserting a relevant metaphor or popular culture reference. Oprah Winfrey’s Stanford commencement address spoke to the graduates about her lessons learned and how they were entering ‘the classroom of life.’

6. Be genuine

Oscar Wilde said “Be yourself; everyone else is already taken.” A lack of authenticity will be spotted a mile away. Whatever you’re saying, speak from the heart and don’t try to impress – there’s no need to prove yourself, just to get the point across as you see it. After all, that’s why you’re there, and you can’t do more than that.

Use humor . Humor can be great for giving a presentation, but cut it out if it feels like a stretch. Telling a humorous story can break down any barriers, make you more likeable, and make your message more memorable (and people are surprisingly generous with laughter) but the faintest whiff of desperation will kill a funny vibe.

Don’t be afraid to mess up . The fear of making a mistake can make you inordinately nervous. Relax, even the best speakers mess up or have bad luck. Theresa May, ex-Prime Minister of England, once stumbled and  coughed her way through a presentation , with someone even handing her a resignation letter. She battled through like a pro, though, and simply acknowledged it and moved on. No big deal.

  • Open up and be vulnerable . Brené Brown,  a researcher whose presentations  have amassed over ten million views, says that “Sometimes the bravest and most important thing you can do is just show up.” This means speaking your truth and daring to feel a little uncomfortable as you share a meaningful story. It will connect your audience to you like never before.

7. Have a plan for a smooth delivery

With all the prep you’re doing on the content and design of your presentation, it can be easy to overlook other variables that are within your control for a stress-free delivery.

Have a practice run-through . There’s nothing like reading it out loud to ensure your message makes sense before you actually deliver it. Try recording your presentation on video — this way you’ll be able to review with an accurate eye and notice whether your speech matches up with your slides. It’ll also help you sort out your run time.

Use a remote . A clicker or remote will help you face the audience and not have to keep turning back to your laptop. Sought-after public speaker Garr Reynolds says a remote is essential in order to pause and advance your presentation so you have time to be spontaneous and control the flow of your delivery.

Have backup material . Not everything you say is going to resonate with your audience. It’s best to be flexible enough to change the game as and when needed. Steve Jobs had standby anecdotes prepared to fill time when the technology he was using to give the presentation failed. Preparing for every eventuality will help soothe your nerves and allow you to feel more in control.

  • Use a timer . When you get into the flow of your message, it’s easy to go off on a tangent or even spend too long on audience questions. Put your phone on airplane mode and set the stopwatch just as you begin speaking. A quick glance down at the table during a pause will allow you to make sure you’re not going overtime.

8. To conclude, focus on audience value

You’re coming to the end of your presentation. How do you wrap it up in a way that will be everlasting in their memories? The experts recommend you focus on the feeling you want the audience to take home.

Leave your audience with an emotional impression .”They might forget what you said, but they’ll never forget the way they made you feel” said the poet Maya Angelou. By leaving them with an emotional impression, from a piece of video with moving music to a line from a song or poem, you’ll strike that resonant chord and end on a high.

Use a pause for key takeaways . Want the audience to remember something specific? Say it slowly and leave a pause at the end. The silence will emphasize what you said and make it meaningful.

  • Make your core message sing . A call-to-action is the best way to wrap up your presentation with strength and impact. What do you want your audience to do next? Tony Robbins tells a great story, moving his audience emotionally towards change.

How to Give a Killer Presentation

For more than 30 years, the TED conference series has presented enlightening talks that people enjoy watching. In this article, Anderson, TED’s curator, shares five keys to great presentations:

  • Frame your story (figure out where to start and where to end).
  • Plan your delivery (decide whether to memorize your speech word for word or develop bullet points and then rehearse it—over and over).
  • Work on stage presence (but remember that your story matters more than how you stand or whether you’re visibly nervous).
  • Plan the multimedia (whatever you do, don’t read from PowerPoint slides).
  • Put it together (play to your strengths and be authentic).

According to Anderson, presentations rise or fall on the quality of the idea, the narrative, and the passion of the speaker. It’s about substance—not style. In fact, it’s fairly easy to “coach out” the problems in a talk, but there’s no way to “coach in” the basic story—the presenter has to have the raw material. So if your thinking is not there yet, he advises, decline that invitation to speak. Instead, keep working until you have an idea that’s worth sharing.

Lessons from TED

A little more than a year ago, on a trip to Nairobi, Kenya, some colleagues and I met a 12-year-old Masai boy named Richard Turere, who told us a fascinating story. His family raises livestock on the edge of a vast national park, and one of the biggest challenges is protecting the animals from lions—especially at night. Richard had noticed that placing lamps in a field didn’t deter lion attacks, but when he walked the field with a torch, the lions stayed away. From a young age, he’d been interested in electronics, teaching himself by, for example, taking apart his parents’ radio. He used that experience to devise a system of lights that would turn on and off in sequence—using solar panels, a car battery, and a motorcycle indicator box—and thereby create a sense of movement that he hoped would scare off the lions. He installed the lights, and the lions stopped attacking. Soon villages elsewhere in Kenya began installing Richard’s “lion lights.”

If you have an upcoming presentation on the horizon and feel nervous, that’s normal. Around 15-30% of the general population experience a fear of public speaking . And, unfortunately, social anxiety is on the rise, with a 12% increase in adults over the last 20 years . 

Learning how to give a good presentation can dismantle your fears and break down these barriers, ensuring you’re ready to confidently share your point of view. 

It’s the week before your presentation, and you’re already feeling nervous . Maybe there’ll be an important mentor in the room you need to impress, or you’re looking for an opportunity to show your boss your value. Regardless of your countless past presentations, you still feel nervous. 

Sharing your vision and ideas with any sized group is intimidating. You’re likely worrying about how you’ll perform as a presenter and whether the audience will be interested in what you offer. But nerves aren’t inherently negative — you can actually use this feeling to fuel your preparation.

It’s helpful to identify where your worries are coming from and address your fears. Here are some common concerns when preparing for an upcoming presentation:

Fear of public speaking: When you share your ideas in front of a group, you’re placing yourself in a vulnerable position to be critiqued on your knowledge and communication skills . Maybe you feel confident in your content, but when you think about standing in front of an audience, you feel anxious and your mind goes blank.

It’s also not uncommon to have physical symptoms when presenting . Some people experience nausea and dizziness as the brain releases adrenaline to cope with the potentially stressful situation . Remember to take deep breaths to recenter yourself and be patient, even if you make a mistake.

Losing the audience’s attention: As a presenter, your main focus is to keep your audience engaged. They should feel like they’re learning valuable information or following a story that will improve them in life or business.

Highlight the most exciting pieces of knowledge and ensure you emphasize those points in your presentation. If you feel passionate about your content, it’s more likely that your audience will experience this excitement for themselves and become invested in what you have to say.

Not knowing what content to place on presentation slides: Overloading presentation slides is a fast way to lose your audience’s attention. Your slides should contain only the main talking points and limited text to ensure your audience focuses on what you have to say rather than becoming distracted by the content on your slides.

Discomfort incorporating nonverbal communication: It’s natural to feel stiff and frozen when you’re nervous. But maintaining effective body language helps your audience stay focused on you as you speak and encourages you to relax.

If you struggle to incorporate body language into your presentations, try starting small by making hand gestures toward your slides. If you’re working with a large audience, use different parts of the stage to ensure everyone feels included. 

Each presenter has their own personal brand and style. Some may use humor to break the ice, while others might appeal to the audience’s emotional side through inspiring storytelling. 

Watching online presentations, such as TED talks, is an excellent way to expose yourself to various presentation styles and develop your own. While observing others, you can note how they carry themselves on stage and learn new ways to keep your audience engaged.

Once you’ve addressed what’s causing your fears, it’s time to prepare for a great presentation. Use your past experience as inspiration and aim to outshine your former self by learning from your mistakes and employing new techniques. Here are five presentation tips to help you create a strong presentation and wow your audience:

1. Keep it simple

Simple means something different to everyone.

Before creating your presentation, take note of your intended audience and their knowledge level of your subject. You’ll want your content to be easy for your intended audience to follow.

Say you’re giving a presentation on improving your company’s operational structure. Entry-level workers will likely need a more straightforward overview of the content than C-suite leaders, who have significantly more experience. 

Ask yourself what you want your audience to take away from your presentation and emphasize those important points. Doing this ensures they remember the most vital information rather than less important supporting ideas. Try organizing these concepts into bullet points so viewers can quickly identify critical takeaways.

2. Create a compelling structure

Put yourself in your audience member’s shoes and determine the most compelling way to organize your information. Your presentation should be articulate , cohesive, and logical, and you must be sure to include all necessary supporting evidence to strengthen your main points.

If you give away all of your answers too quickly, your audience could lose interest. And if there isn’t enough supporting information, they could hit a roadblock of confusion. Try developing a compelling story that leads your audience through your thought processes so they can experience the ups and downs alongside you. 

By structuring your presentation to lead up to a final conclusion, you’re more likely to keep listeners’ attention. Once you’ve reached that conclusion, you can offer a Q&A period to put any of their questions or concerns to rest. 

3. Use visual aids

Appealing to various learning styles is a great way to keep everyone on the same page and ensure they absorb your content. Visual aids are necessary for visual learners and make it easier for people to picture your ideas.

Aim to incorporate a mixture of photos, videos, and props to engage your audience and convey your key points. For instance, if you’re giving a presentation on anthropology subject matter, you could show your audience an artifact to help them understand how exciting a discovery must have been. 

If your presentation is long, including a video for your audience to watch is an excellent way to give yourself a break and create new jumping-off points for your speech.

4. Be aware of design techniques and trends

Thanks to cutting-edge technology and tools, you have numerous platforms at your disposal to create a good presentation. But keep in mind that although color, images, and graphics liven things up, they can cause distraction when misused.

  Here are a few standard pointers for incorporating visuals on your slides: 

  • Don’t place blocks of small text on a single slide
  • Use a minimalistic background instead of a busy one
  • Ensure text stands out against the background color
  • Only use high-resolution photos
  • Maintain a consistent font style and size throughout the presentation
  • Don’t overuse transitions and effects

5. Try the 10-20-30 rule

Guy Kawasaki, a prominent venture capitalist and one of the original marketing specialists for Apple, said that the best slideshow presentations are less than 10 slides , last at most 20 minutes, and use a font size of 30. Following this strategy can help you condense your information, eliminate unnecessary ideas, and maintain your audience’s focus more efficiently.

Once you’re confident in creating a memorable presentation, it’s time to learn how to give one. Here are some valuable tips for keeping your audience invested during your talk: 

Tip #1: Tell stories

Sharing an anecdote from your life can improve your credibility and increase your relatability. And when an audience relates to you, they’re more likely to feel connected to who you are as a person and encouraged to give you their full attention, as they would want others to do the same.

Gill Hicks utilized this strategy well when she shared her powerful story, “ I survived a terrorist attack. Here’s what I learned .” In her harrowing tale, Hicks highlights the importance of compassion, unconditional love, and helping those in need.

If you feel uncomfortable sharing personal stories, that’s okay. You can use examples from famous individuals or create a fictional account to demonstrate your ideas.

Tip #2: Make eye contact with the audience

Maintaining eye contact is less intimidating than it sounds. In fact, you don’t have to look your audience members directly in their eyes — you can focus on their foreheads or noses if that’s easier.

Try making eye contact with as many people as possible for 3–5 seconds each. This timing ensures you don’t look away too quickly, making the audience member feel unimportant, or linger too long, making them feel uncomfortable.

If you’re presenting to a large group, direct your focus to each part of the room to ensure no section of the audience feels ignored.

Tip #3: Work on your stage presence

Although your tone and words are the most impactful part of your presentation, recall that body language keeps your audience engaged. Use these tips to master a professional stage presence:

  • Speak with open arms and avoid crossing them
  • Keep a reasonable pace and try not to stand still
  • Use hand gestures to highlight important information

Tip #4: Start strong

Like watching a movie trailer, the first seconds of your talk are critical for capturing your audience’s attention. How you start your speech sets the tone for the rest of your presentation and tells your audience whether or not they should pay attention. Here are some ways to start your presentation to leave a lasting impression:

  • Use a quote from a well-known and likable influential person 
  • Ask a rhetorical question to create intrigue
  • Start with an anecdote to add context to your talk 
  • Spark your audience’s curiosity by involving them in an interactive problem-solving puzzle or riddle

Tip #5: Show your passion

Don’t be afraid of being too enthusiastic. Everyone appreciates a speaker who’s genuinely excited about their field of expertise.

Tip #6: Plan your delivery

How you decide to deliver your speech will shape your presentation. Will you be preparing a PowerPoint presentation and using a teleprompter? Or are you working within the constraints of the digital world and presenting over Zoom?

The best presentations are conducted by speakers who know their stuff and memorize their content. However, if you find this challenging, try creating notes to use as a safety net in case you lose track.

If you’re presenting online, you can keep notes beside your computer for each slide, highlighting your key points. This ensures you include all the necessary information and follow a logical order.

Tip #7: Practice

Practice doesn’t make perfect — it makes progress. There’s no way of preparing for unforeseen circumstances, but thorough practice means you’ve done everything you can to succeed.

Rehearse your speech in front of a mirror or to a trusted friend or family member. Take any feedback and use it as an opportunity to fine-tune your speech. But remember: who you practice your presentation in front of may differ from your intended audience. Consider their opinions through the lens of them occupying this different position.

Tip #8: Read the room

Whether you’re a keynote speaker at an event or presenting to a small group of clients, knowing how to read the room is vital for keeping your audience happy. Stay flexible and be willing to move on from topics quickly if your listeners are uninterested or displeased with a particular part of your speech.

Tip #9: Breathe

Try taking deep breaths before your presentation to calm your nerves. If you feel rushed, you’re more likely to feel nervous and stumble on your words.

The most important thing to consider when presenting is your audience’s feelings. When you approach your next presentation calmly, you’ll put your audience at ease and encourage them to feel comfortable in your presence.

Tip #10: Provide a call-to-action

When you end your presentation, your audience should feel compelled to take a specific action, whether that’s changing their habits or contacting you for your services.

If you’re presenting to clients, create a handout with key points and contact information so they can get in touch. You should provide your LinkedIn information, email address, and phone number so they have a variety of ways to reach you. 

There’s no one-size-fits-all template for an effective presentation, as your unique audience and subject matter play a role in shaping your speech. As a general rule, though, you should aim to connect with your audience through passion and excitement. Use strong eye contact and body language. Capture their interest through storytelling and their trust through relatability.

Learning how to give a good presentation can feel overwhelming — but remember, practice makes progress. Rehearse your presentation for someone you trust, collect their feedback , and revise. Practicing your presentation skills is helpful for any job, and every challenge is a chance to grow.

How to Structure your Presentation, with Examples

For many people the thought of delivering a presentation is a daunting task and brings about a  great deal of nerves . However, if you take some time to understand how effective presentations are structured and then apply this structure to your own presentation, you’ll appear much more confident and relaxed.

Here is our complete guide for structuring your presentation, with examples at the end of the article to demonstrate these points.

Why is structuring a presentation so important?

If you’ve ever sat through a great presentation, you’ll have left feeling either inspired or informed on a given topic. This isn’t because the speaker was the most knowledgeable or motivating person in the world. Instead, it’s because they know how to structure presentations – they have crafted their message in a logical and simple way that has allowed the audience can keep up with them and take away key messages.

Research has supported this, with studies showing that audiences retain structured information  40% more accurately  than unstructured information.

In fact, not only is structuring a presentation important for the benefit of the audience’s understanding, it’s also important for you as the speaker. A good structure helps you remain calm, stay on topic, and avoid any awkward silences.

What will affect your presentation structure?

Generally speaking, there is a natural flow that any decent presentation will follow which we will go into shortly. However, you should be aware that all presentation structures will be different in their own unique way and this will be due to a number of factors, including:

  • Whether you need to deliver any demonstrations
  • How  knowledgeable the audience  already is on the given subject
  • How much interaction you want from the audience
  • Any time constraints there are for your talk
  • What setting you are in
  • Your ability to use any kinds of visual assistance

Before choosing the presentation’s structure answer these questions first:

  • What is your presentation’s aim?
  • Who are the audience?
  • What are the main points your audience should remember afterwards?

When reading the points below, think critically about what things may cause your presentation structure to be slightly different. You can add in certain elements and add more focus to certain moments if that works better for your speech.

Good presentation structure is important for a presentation

What is the typical presentation structure?

This is the usual flow of a presentation, which covers all the vital sections and is a good starting point for yours. It allows your audience to easily follow along and sets out a solid structure you can add your content to.

1. Greet the audience and introduce yourself

Before you start delivering your talk, introduce yourself to the audience and clarify who you are and your relevant expertise. This does not need to be long or incredibly detailed, but will help build an immediate relationship between you and the audience. It gives you the chance to briefly clarify your expertise and why you are worth listening to. This will help establish your ethos so the audience will trust you more and think you’re credible.

2. Introduction

In the introduction you need to explain the subject and purpose of your presentation whilst gaining the audience’s interest and confidence. It’s sometimes helpful to think of your introduction as funnel-shaped to help filter down your topic:

  • Introduce your general topic
  • Explain your topic area
  • State the issues/challenges in this area you will be exploring
  • State your presentation’s purpose – this is the basis of your presentation so ensure that you provide a statement explaining how the topic will be treated, for example, “I will argue that…” or maybe you will “compare”, “analyse”, “evaluate”, “describe” etc.
  • Provide a statement of what you’re hoping the outcome of the presentation will be, for example, “I’m hoping this will be provide you with…”
  • Show a preview of the organisation of your presentation

In this section also explain:

  • The length of the talk.
  • Signal whether you want audience interaction – some presenters prefer the audience to ask questions throughout whereas others allocate a specific section for this.
  • If it applies, inform the audience whether to take notes or whether you will be providing handouts.

The way you structure your introduction can depend on the amount of time you have been given to present: a  sales pitch  may consist of a quick presentation so you may begin with your conclusion and then provide the evidence. Conversely, a speaker presenting their idea for change in the world would be better suited to start with the evidence and then conclude what this means for the audience.

Keep in mind that the main aim of the introduction is to grab the audience’s attention and connect with them.

3. The main body of your talk

The main body of your talk needs to meet the promises you made in the introduction. Depending on the nature of your presentation, clearly segment the different topics you will be discussing, and then work your way through them one at a time – it’s important for everything to be organised logically for the audience to fully understand. There are many different ways to organise your main points, such as, by priority, theme, chronologically etc.

  • Main points should be addressed one by one with supporting evidence and examples.
  • Before moving on to the next point you should provide a mini-summary.
  • Links should be clearly stated between ideas and you must make it clear when you’re moving onto the next point.
  • Allow time for people to take relevant notes and stick to the topics you have prepared beforehand rather than straying too far off topic.

When planning your presentation write a list of main points you want to make and ask yourself “What I am telling the audience? What should they understand from this?” refining your answers this way will help you produce clear messages.

4. Conclusion

In presentations the conclusion is frequently underdeveloped and lacks purpose which is a shame as it’s the best place to reinforce your messages. Typically, your presentation has a specific goal – that could be to convert a number of the audience members into customers, lead to a certain number of enquiries to make people knowledgeable on specific key points, or to motivate them towards a shared goal.

Regardless of what that goal is, be sure to summarise your main points and their implications. This clarifies the overall purpose of your talk and reinforces your reason for being there.

Follow these steps:

  • Signal that it’s nearly the end of your presentation, for example, “As we wrap up/as we wind down the talk…”
  • Restate the topic and purpose of your presentation – “In this speech I wanted to compare…”
  • Summarise the main points, including their implications and conclusions
  • Indicate what is next/a call to action/a thought-provoking takeaway
  • Move on to the last section

5. Thank the audience and invite questions

Conclude your talk by thanking the audience for their time and invite them to  ask any questions  they may have. As mentioned earlier, personal circumstances will affect the structure of your presentation.

Many presenters prefer to make the Q&A session the key part of their talk and try to speed through the main body of the presentation. This is totally fine, but it is still best to focus on delivering some sort of initial presentation to set the tone and topics for discussion in the Q&A.

The above was a description of a basic presentation, here are some more specific presentation layouts:

Demonstration

Use the demonstration structure when you have something useful to show. This is usually used when you want to show how a product works. Steve Jobs frequently used this technique in his presentations.

  • Explain why the product is valuable.
  • Describe why the product is necessary.
  • Explain what problems it can solve for the audience.
  • Demonstrate the product  to support what you’ve been saying.
  • Make suggestions of other things it can do to make the audience curious.

Problem-solution

This structure is particularly useful in persuading the audience.

  • Briefly frame the issue.
  • Go into the issue in detail showing why it ‘s such a problem. Use logos and pathos for this – the logical and emotional appeals.
  • Provide the solution and explain why this would also help the audience.
  • Call to action – something you want the audience to do which is straightforward and pertinent to the solution.

Storytelling

As well as incorporating  stories in your presentation , you can organise your whole presentation as a story. There are lots of different type of story structures you can use – a popular choice is the monomyth – the hero’s journey. In a monomyth, a hero goes on a difficult journey or takes on a challenge – they move from the familiar into the unknown. After facing obstacles and ultimately succeeding the hero returns home, transformed and with newfound wisdom.

Another popular choice for using a story to structure your presentation is in media ras (in the middle of thing). In this type of story you launch right into the action by providing a snippet/teaser of what’s happening and then you start explaining the events that led to that event. This is engaging because you’re starting your story at the most exciting part which will make the audience curious – they’ll want to know how you got there.

  • Great storytelling: Examples from Alibaba Founder, Jack Ma

Remaining method

The remaining method structure is good for situations where you’re presenting your perspective on a controversial topic which has split people’s opinions.

  • Go into the issue in detail showing why it’s such a problem – use logos and pathos.
  • Rebut your opponents’ solutions  – explain why their solutions could be useful because the audience will see this as fair and will therefore think you’re trustworthy, and then explain why you think these solutions are not valid.
  • After you’ve presented all the alternatives provide your solution, the remaining solution. This is very persuasive because it looks like the winning idea, especially with the audience believing that you’re fair and trustworthy.

Transitions

When delivering presentations it’s important for your words and ideas to flow so your audience can understand how everything links together and why it’s all relevant. This can be done  using speech transitions  which are words and phrases that allow you to smoothly move from one point to another so that your speech flows and your presentation is unified.

Transitions can be one word, a phrase or a full sentence – there are many different forms, here are some examples:

Moving from the introduction to the first point

Signify to the audience that you will now begin discussing the first main point:

  • Now that you’re aware of the overview, let’s begin with…
  • First, let’s begin with…
  • I will first cover…
  • My first point covers…
  • To get started, let’s look at…

Shifting between similar points

Move from one point to a similar one:

  • In the same way…
  • Likewise…
  • Equally…
  • This is similar to…
  • Similarly…

Internal summaries

Internal summarising consists of summarising before moving on to the next point. You must inform the audience:

  • What part of the presentation you covered – “In the first part of this speech we’ve covered…”
  • What the key points were – “Precisely how…”
  • How this links in with the overall presentation – “So that’s the context…”
  • What you’re moving on to – “Now I’d like to move on to the second part of presentation which looks at…”

Physical movement

You can move your body and your standing location when you transition to another point. The audience find it easier to follow your presentation and movement will increase their interest.

A common technique for incorporating movement into your presentation is to:

  • Start your introduction by standing in the centre of the stage.
  • For your first point you stand on the left side of the stage.
  • You discuss your second point from the centre again.
  • You stand on the right side of the stage for your third point.
  • The conclusion occurs in the centre.

Key slides for your presentation

Slides are a useful tool for most presentations: they can greatly assist in the delivery of your message and help the audience follow along with what you are saying. Key slides include:

  • An intro slide outlining your ideas
  • A  summary slide  with core points to remember
  • High quality image slides to supplement what you are saying

There are some presenters who choose not to use slides at all, though this is more of a rarity. Slides can be a powerful tool if used properly, but the problem is that many fail to do just that. Here are some golden rules to follow when using slides in a presentation:

  • Don’t over fill them  – your slides are there to assist your speech, rather than be the focal point. They should have as little information as possible, to avoid distracting people from your talk.
  • A picture says a thousand words  – instead of filling a slide with text, instead, focus on one or two images or diagrams to help support and explain the point you are discussing at that time.
  • Make them readable  – depending on the size of your audience, some may not be able to see small text or images, so make everything large enough to fill the space.
  • Don’t rush through slides  – give the audience enough time to digest each slide.

Guy Kawasaki, an entrepreneur and author, suggests that slideshows should follow a  10-20-30 rule :

  • There should be a maximum of 10 slides – people rarely remember more than one concept afterwards so there’s no point overwhelming them with unnecessary information.
  • The presentation should last no longer than 20 minutes as this will leave time for questions and discussion.
  • The font size should be a minimum of 30pt because the audience reads faster than you talk so less information on the slides means that there is less chance of the audience being distracted.

Group Presentations

Group presentations are structured in the same way as presentations with one speaker but usually require more rehearsal and practices.  Clean transitioning between speakers  is very important in producing a presentation that flows well. One way of doing this consists of:

  • Briefly recap on what you covered in your section: “So that was a brief introduction on what health anxiety is and how it can affect somebody”
  • Introduce the next speaker in the team and explain what they will discuss: “Now Elnaz will talk about the prevalence of health anxiety.”
  • Then end by looking at the next speaker, gesturing towards them and saying their name: “Elnaz”.
  • The next speaker should acknowledge this with a quick: “Thank you Joe.”

From this example you can see how the different sections of the presentations link which makes it easier for the audience to follow and remain engaged.

Having examples of great presentations will help inspire your own structures, here are a few such examples, each unique and inspiring in their own way.

How Google Works – by Eric Schmidt

This presentation by ex-Google CEO  Eric Schmidt  demonstrates some of the most important lessons he and his team have learnt with regards to working with some of the most talented individuals they hired. The simplistic yet cohesive style of all of the slides is something to be appreciated. They are relatively straightforward, yet add power and clarity to the narrative of the presentation.

Start with why – by Simon Sinek

Since being released in 2009, this presentation has been viewed almost four million times all around the world. The message itself is very powerful, however, it’s not an idea that hasn’t been heard before. What makes this presentation so powerful is the simple message he is getting across, and the straightforward and understandable manner in which he delivers it. Also note that he doesn’t use any slides, just a whiteboard where he creates a simple diagram of his opinion.

Here’s an example of a presentation given by a relatively unknown individual looking to inspire the next generation of graduates. Rick’s presentation is unique in many ways compared to the two above. Notably, he uses no visual prompts and includes a great deal of humour.

However, what is similar is the structure he uses. He first introduces his message that the wisest man he knew was a third-grade dropout. He then proceeds to deliver his main body of argument, and in the end, concludes with his message. This powerful speech keeps the viewer engaged throughout, through a mixture of heart-warming sentiment, powerful life advice and engaging humour.

As you can see from the examples above, and as it has been expressed throughout, a great presentation structure means analysing the core message of your presentation. Decide on a key message you want to impart the audience with, and then craft an engaging way of delivering it.

By preparing a solid structure, and  practising your talk  beforehand, you can walk into the presentation with confidence and deliver a meaningful message to an interested audience.

It’s important for a presentation to be well-structured so it can have the most impact on your audience. An unstructured presentation can be difficult to follow and even frustrating to listen to. The heart of your speech are your main points supported by evidence and your transitions should assist the movement between points and clarify how everything is linked.

Research suggests that the audience remember the first and last things you say so your introduction and conclusion are vital for reinforcing your points. Essentially, ensure you spend the time structuring your presentation and addressing all of the sections.

How can you make a good presentation even more effective?

Whether you are an experienced presenter, or just starting out, there should be ideas here to help you to improve.

1. Show your Passion and Connect with your Audience

It’s hard to be relaxed and be yourself when you’re nervous.

But time and again, the great presenters say that the most important thing is to connect with your audience, and the best way to do that is to let your passion for the subject shine through.

Be honest with the audience about what is important to you and why it matters.

Be enthusiastic and honest, and the audience will respond.

2. Focus on your Audience’s Needs

Your presentation needs to be built around what your audience is going to get out of the presentation.

As you prepare the presentation, you always need to bear in mind what the audience needs and wants to know, not what you can tell them.

While you’re giving the presentation, you also need to remain focused on your audience’s response, and react to that.

You need to make it easy for your audience to understand and respond.

3. Keep it Simple: Concentrate on your Core Message

When planning your presentation, you should always keep in mind the question:

What is the key message (or three key points) for my audience to take away?

You should be able to communicate that key message very briefly.

Some experts recommend a 30-second ‘elevator summary’, others that you can write it on the back of a business card, or say it in no more than 15 words.

Whichever rule you choose, the important thing is to keep your core message focused and brief.

And if what you are planning to say doesn’t contribute to that core message, don’t say it.

4. Smile and Make Eye Contact with your Audience

This sounds very easy, but a surprisingly large number of presenters fail to do it.

If you smile and make eye contact, you are building rapport , which helps the audience to connect with you and your subject. It also helps you to feel less nervous, because you are talking to individuals, not to a great mass of unknown people.

To help you with this, make sure that you don’t turn down all the lights so that only the slide screen is visible. Your audience needs to see you as well as your slides.

5. Start Strongly

The beginning of your presentation is crucial. You need to grab your audience’s attention and hold it.

They will give you a few minutes’ grace in which to entertain them, before they start to switch off if you’re dull. So don’t waste that on explaining who you are. Start by entertaining them.

Try a story (see tip 7 below), or an attention-grabbing (but useful) image on a slide.

6. Remember the 10-20-30 Rule for Slideshows

This is a tip from Guy Kawasaki of Apple. He suggests that slideshows should:

  • Contain no more than 10 slides;
  • Last no more than 20 minutes; and
  • Use a font size of no less than 30 point.

This last is particularly important as it stops you trying to put too much information on any one slide. This whole approach avoids the dreaded ‘Death by PowerPoint’.

As a general rule, slides should be the sideshow to you, the presenter. A good set of slides should be no use without the presenter, and they should definitely contain less, rather than more, information, expressed simply.

If you need to provide more information, create a bespoke handout and give it out after your presentation.

7. Tell Stories

Human beings are programmed to respond to stories.

Stories help us to pay attention, and also to remember things. If you can use stories in your presentation, your audience is more likely to engage and to remember your points afterwards. It is a good idea to start with a story, but there is a wider point too: you need your presentation to act like a story.

Think about what story you are trying to tell your audience, and create your presentation to tell it.

Finding The Story Behind Your Presentation

To effectively tell a story, focus on using at least one of the two most basic storytelling mechanics in your presentation:

Focusing On Characters – People have stories; things, data, and objects do not. So ask yourself “who” is directly involved in your topic that you can use as the focal point of your story.

For example, instead of talking about cars (your company’s products), you could focus on specific characters like:

  • The drivers the car is intended for – people looking for speed and adventure
  • The engineers who went out of their way to design the most cost-effective car imaginable

A Changing Dynamic – A story needs something to change along the way. So ask yourself “What is not as it should be?” and answer with what you are going to do about it (or what you did about it).

For example…

  • Did hazardous road conditions inspire you to build a rugged, all-terrain jeep that any family could afford?
  • Did a complicated and confusing food labelling system lead you to establish a colour-coded nutritional index so that anybody could easily understand it?

8. Use your Voice Effectively

The spoken word is actually a pretty inefficient means of communication, because it uses only one of your audience’s five senses. That’s why presenters tend to use visual aids, too. But you can help to make the spoken word better by using your voice effectively.

Varying the speed at which you talk, and emphasising changes in pitch and tone all help to make your voice more interesting and hold your audience’s attention.

9. Use your Body Too

It has been estimated that more than three quarters of communication is non-verbal.

That means that as well as your tone of voice, your body language is crucial to getting your message across. Make sure that you are giving the right messages: body language to avoid includes crossed arms, hands held behind your back or in your pockets, and pacing the stage.

Make your gestures open and confident, and move naturally around the stage, and among the audience too, if possible.

10. Relax, Breathe and Enjoy

If you find presenting difficult, it can be hard to be calm and relaxed about doing it.

One option is to start by concentrating on your breathing. Slow it down, and make sure that you’re breathing fully. Make sure that you continue to pause for breath occasionally during your presentation too.

How to Start a PowerPoint Presentation The Right Way

Your presentation has a clear storyline and agenda. Main ideas are broken into bite-sized statements for your slides and complemented with visuals. All you have left is to figure out how you begin presenting.

The best way is to appeal to and invoke certain emotions in your audience – curiosity, surprise, fear, or good old amusements. Also, it is recommended to present your main idea in the first 30 seconds of the presentation. And here’s how it’s done.

1. The Classic Trick: Open a Presentation with an Introduction

When you don’t feel like reinventing the wheel, use a classic trick from the book – start with a quick personal introduction. Don’t want to sound as boring as everyone else with your humble “Hi, I’m John, the head of the Customer Support Department”? Here’s how to introduce yourself in a presentation the right way.

a. Use a link-back memory formula

To ace a presentation, you need to connect with your audience. The best way to do so is by throwing in a simple story showing who you are, where you came from, and why your words matter.

The human brain loves a good story, and we are more inclined to listen and retain the information told this way. Besides, when we can relate to the narrator (or story hero), we create an emotional bond with them, and, again – become more receptive, and less skeptical of the information that is about to be delivered.

So here are your presentation introduction lines:

My name is Joanne, and I’m the Head of Marketing at company XYZ. Five years ago I was working as a waitress, earning $10/hour and collecting rejection letters from editors. About ten letters every week landed to my mailbox. You see, I love words, but decent publisher thought mine were good enough. Except for the restaurant owner. I was very good at up-selling and recommending dishes to the customers. My boss even bumped my salary to $15/hour as a token of appreciation for my skill. And this made me realize: I should ditch creative writing and focus on copywriting instead. After loads of trial and error back in the day, I learned how to write persuasive copy. I was no longer getting rejection letters. I was receiving thousands of emails saying that someone just bought another product from our company. b. Test the Stereotype Formula

This one’s simple and effective as well. Introduce yourself by sharing an obvious stereotype about your profession. This cue will help you connect with your audience better, make them chuckle a bit, and set a lighter mood for the speech to follow.

Here’s how you can frame your intro:

“My name is ___, and I am a lead software engineer at our platform [Your Job Title]. And yes, I’m that nerdy type who never liked presenting in front of large groups of people. I would rather stay in my den and write code all day long. [Stereotype]. But hey, since I have mustered enough courage…let’s talk today about the new product features my team is about to release….”

It creates an instant jolt and makes the audience intrigued to hear what you are about to say next – pedal back, continue with the provocation, or do something else that they will not expect.

“Imagine,” “Picture This,” and “Think of” are better word choices for when you plan to begin your presentation with a quick story.

Our brain loves interacting with stories. In fact, a captivating story makes us more collaborative. Scientists have discovered that stories with tension during narrative make us:

  • Pay more attention,
  • Share emotions with the characters and even mimic the feelings and behaviors of those characters afterward.

That’s why good action movies often feel empowering and make us want to change the world too. We are explicitly told that we don’t know something important, and now we crave to change that. Curiosity is an incredibly strong driving force for action – think Eve, think Pandora’s Box.

So consider incorporating these attention grabbers for your presentation speech to shock the audience. You can open with one, or strategically weave them in the middle of your presentation when you feel like your audience is getting tired and may lose their focus.

Here’s how you can use the curiosity gap during your presentation:

  • Start telling a story, pause in the middle, and delay the conclusion of it.
  • Withhold the key information (e.g., the best solution to the problem you have described) for a bit – but not for too long, as this can reduce the initial curiosity.
  • Introduce an idea or concept and link it with an unexpected outcome or subject – this is the best opening for a presentation tip.

7. The Power of Silence

What would you do if you attended a presentation in which the speaker remains silent for 30 seconds after the presentation starts? Just the presenter, standing in front of the audience, in absolute silence.

Think about a presentation that discusses the benefits of using alternative therapies to treat anxiety, reducing the need to rely on benzodiazepines. Rather than going technical and introducing facts, the presenter can play a soothing tune and invite the audience to follow an exercise that teaches how to practice breathing meditation . Perhaps, in less than 2 minutes, the presenter can accomplish the goal of exposing the advantages of this practice with a live case study fueled by the proper ambiance (due to the music played in the beginning).

11. Physical Activity

Let’s picture ourselves in an in-company presentation about workspace wellness. For this company, the sedentary lifestyle their employees engage in is a worrying factor, so they brought a personal trainer to coach the employees on a basic flexibility routine they can practice in 5 minutes after a couple of hours of desk time.

“Before we dive in, let’s all stand up for a moment.” This simple instruction breaks the ice and creates a moment of shared experience among the attendees. You could then lead them through a brief stretching routine, saying something like, “Let’s reach up high, and stretch out those muscles that get so tight sitting at our desks all day.” With this action, you’re not just talking about workplace wellness, you’re giving them a direct, personal experience of it.

While there are a lot of similarities between two roles—like developing and supporting revenue targets, overseeing the sales process for your team, setting trends and monitoring projections—it’s also clear that the head of sales role is much more senior than that of the sales manager. A head of sales reports directly to the CEO and keeps the company on track for internal growth projections.

On the other hand, a sales manager spends most of their day working directly with sales reps, helping them close more deals and achieve revenue targets.

So once you know exactly what type of role you’re going after and the corresponding title that best fits, you can begin positioning yourself to stand out from the crowd and make a powerful first impression on hiring managers.

8 Required Skills to Become a Sales Manager

On average, a sales manager has a bachelor's degree and at least five years of experience as a sales rep. But, that's not to say a degree is required. If you want to become a sales manager, start with perfecting and then showcasing these key skill sets throughout your interview process.

1. Interviewing and Hiring Talented Sales Reps

While much of your job as a sales manager will be focused on enabling your existing team to continue performing better over time, keeping new candidates coming in the front door to replace those that either move up or out—and add to the strength of your sales team—is just as important.

Like a fine wine, you’ll get better over time as you recruit new reps. Start today, and you’ll be an expert sooner.

Take the initiative to form a more active part of your company’s sales hiring process . Sit in on interviews with your manager. Reach out to potential candidates. Take an interest and predict which people make it the furthest in the interview process. Who goes on to become a top-performing rep? Which qualities, traits, characteristics, and motivations contribute to their success?

When sourcing candidates for internal sales jobs , keep these factors in mind:

  • Real-world results reign supreme. If a candidate you’re interviewing for a sales role can’t clearly articulate a tangible result they’ve achieved at a current or previous sales job, that’s a major red flag. Certifications and degrees are great, but real-world experience can trump education.
  • Preparation and organization are key. Another mark of a strong salesperson is their level of organization and how prepared they are when showing up for a presentation, sales call, or meeting—and an interview is the perfect testing ground to gauge this critical quality.
  • They’ve been tested and challenged. Don’t hire the person with the perfect record who’s never been through failure before. Rejection is painful , and it comes with the territory in sales—which is why you’re doing yourself no favor when choosing someone who’s constantly sold products that are excessively easy to move.

The more you can work collaboratively with internal hiring managers during the sales rep recruitment process, the more (and faster) you’ll begin to learn what makes for strong hires.

2. Being a Real Leader, Not Just a Boss

Ah, to be a leader … simply don a fancy hat, grab a microphone, display some swagger, and you’re a leader, right?

The act of proudly standing at the front of your ship doesn’t have any bearing on your ability to empower, motivate, or manage your crew. And that’s what true leadership entails.

True leadership requires managing, motivating, incentivizing, and empowering your sales team.

If your reps are underperforming or unhappy with their work, that’s on you. As a sales manager, it’s your job to be occupied with doing everything you can to make each individual member of your team successful.

Want to demonstrate your leadership skills ? Try mentoring another sales professional on your team with less sales experience. Start a purpose-driven club for entry-level team members or organize events that get other employees to take action. Experiment within your own role with ideas to spearhead positive change, rather than waiting for top-down change to come your way.

Remember, once you become a sales manager, your voyage won’t always go exactly according to plan (OK, that’s enough sailing metaphors) . Rather, it’s in remaining humble and showing you’re human, too , that will help you build rapport and maintain healthy relationships with your team.

The best salespeople are often competitive by nature, and a great way of channeling their competitive energy into productive activities is to have a sales leaderboard reps can use to keep score.

One tip to get the most out of sales leaderboards: Don't just track results (deals closed, revenue generated, etc.).

Instead, also track activities that drive results: Number of calls made, number of emails sent, number of opportunities a sales rep created, and so on. The purpose of a leaderboard is not just to celebrate your top performers, but also to acknowledge those who are putting in the extra effort.

Your job isn’t to do everything for your team, but to build the right team that can excel when given useful tools, guidance, and incentives. That’s what leadership is.

3. Training and Coaching Your Team

Beyond just leading your team, it’s your job as a sales manager to effectively train your team members and continue helping them grow professionally.

Do you have personal experience developing or improving upon your current organization’s sales process? How about coaching fellow reps through a particularly challenging deal?

Great sales managers can easily toggle between zooming in (to work in a rep’s world) and back out to see the bigger picture of how things are going more broadly on your team.

Are multiple reps experiencing the same challenges? What kinds of blockers are standing in the way of hitting quarterly targets? Grow in your ability to not only identify but answer these kinds of questions, and your value as a sales manager will be all but proven already.

Another skill you can start working on today is the ability to help out individual reps when they need it. Look for someone on your team that’s either new to the company, going through a rough quarter, or less experienced in sales. Or, maybe someone who needs help troubleshooting the best way to negotiate around an objection.

Ask if they’re up for you to partner with them and start listening to their call recordings in order to provide constructive feedback and finesse their pitch, rebuild their cold outreach emails , and help weigh in with advice, routines, tactics, and habits that help you perform better.

It doesn’t matter how much you consistently beat quota in your current position if you can’t make the jump up to also help other people to increase their sales performance, crucial for effective sales performance management .

Remember—as a sales manager, you’ll need to be OK with stepping out of an active selling role. Your primary mission will be helping others sell.

4. Creating (and Implementing) Sales Plans

Like it or not, implementing processes and regular planning are both essential to maintaining a successful business model as your sales team grows and the company scales over time.

When I ran a sales team for the first time, I was admittedly a pretty lousy sales manager. I was a talented salesperson myself, but I couldn’t translate that skill into training others.

I learned that it was more important to have everybody do a really good (consistent) job than to just have a couple of sales rock stars while everyone else falls behind. My reps were failing because they couldn’t replicate what I did—and what I did was unique to me.

Having an easy-to-follow sales plan, packed with process documentation , scripts, templates, and ongoing training ensures your team members are all on the same level, makes sure your team performs consistently (and hedges against the likelihood of some reps falling behind others).

No matter how hard you hope, wish or pray, a sales plan will never be one of those set-it-and-forget-it organizational documents. A sales plan is a living instrument that’s actively shaped in real-time as your organization grows, changes, and learns.

At their core, all good sales plans are comprised of three distinct sections:

  • Sales forecasting and goal-setting
  • Market and customer research
  • Prospecting and partnerships

Each aspect of your plan naturally works itself into the next, starting with the team’s high-level sales targets, then taking into consideration market factors, and finally looking at who you know, and how to find more prospects to help hit your sales goals .

As a sales manager, it’ll be your job to maintain, update, and enforce your team’s go-to-market plan. You’ll need to analyze the metrics and see whether your team is on track regarding sales quotas and company goals.

5. Communicating Successfully Both Up and Down the Ladder

Most sales manager job postings today clearly highlight just how much you’ll have to hop on the phone, show up for presentations, dive into partnership development, and otherwise be involved in the sales process and problem-solving with key accounts from start to finish.

Therefore, strong interpersonal and communication skills are essential. Though that doesn’t mean we’re all very good at these skills.

Often, the more skilled you are as a salesperson, the more difficult it can be to put yourself back in the beginner’s mindset. making it more difficult to effectively communicate with reps who aren’t quite on your level yet. Known in academia as the curse of knowledge , this cognitive bias can make it more difficult to effectively communicate with reps who aren’t quite on your level yet.

If this kind of communication isn’t a strong suit of yours, fear not. You can start flexing that muscle today by purposefully going out of your way to over-communicate (within reason) with your fellow co-workers.

When mentoring a rep going through challenges, make it a point not to assume they have the same base of knowledge and experience you have. Start further back than you normally would, verbally express what’s happening inside your head, and explain the logic and reasoning behind the troubleshooting steps you take.

Take the time to build a stronger relationship with the marketing manager--maybe discuss sales data or share areas where sales and marketing could align better.

6. Organizing Your Tasks & Sales Team

Once you become a sales manager, there will be a lot of demands on your time throughout the day. That means you can’t always fly by the seat of your pants, accepting every meeting request that comes your way, right there on the spot.

While your role (and daily activities) have completely changed as a sales manager, it’s also easy to default to going about your day with the same routine as when you were still an individual contributor.

Take a step back every Monday morning to thoughtfully plan out your schedule. Leave time to interact with your team members. Block out the space you need to work on other key activities like forecasting, planning, experimenting, and training.

If your reps aren’t organized and staying on-task, you can’t expect them to always perform at peak capacity and hit their numbers ( sales management tools like Close can help with that). If you’re not organized, can you really expect your reps to be?

Part of being an effective sales manager—and leader—is showcasing your values and clearly articulating your priorities to your team members. Share exactly what’s expected of them, how you’ll be measuring their performance, and rewarding them.

Equally important is establishing how you want your team to work. Don’t assume everything will just fall into place and you’ll magically hit your targets. Going back to communication here, take the time to explain in detail how you want your team to work. Set the right expectations and enforce your sales process .

Becoming more organized at work starts with your physical space. Keep your desk area uncluttered, have everything you need within reach, maintain control of your email inbox , start your day with a list of your top priorities, and try to avoid the mania of multitasking.

7. Forecasting Sales Results (Within a Reasonable Margin of Error)

Be transparent and specific when communicating the direction your team is going in and what needs to be done on an individual level.

Showing your higher-ups that your team can reliably perform based on those expectations and predictably hit goals is equally important to your success as a sales manager.

While there are a lot of different sales forecasting strategies you can adhere to depending upon your type of business model, industry, length of sales cycle, and otherwise, here are a few of the most common:

  • Lead-driven forecasting: The lead-driven method relies on understanding the relationship your leads have with your company, and what they’re likely to do based on that relationship. Here, you’re analyzing each lead source and assigning a value to that source based on what similar leads have done in the past.
  • Opportunity stage forecasting: This method takes your sales pipeline, chops it up, and assigns a percentage value to each one based on how likely a lead is to close . So, a new prospect might have a 10% potential close rate, whereas someone who has gone through a product demo might be at 80%.
  • Multivariable forecasting: This method takes the best aspects of most forecasting methods, and puts them together into one complex, analytics-driven system. Let’s say you’ve got two reps hustling similar accounts. The first one is working a $10,000 deal and has just finished a successful product demo. Based on your rep’s individual win rate for this stage of the deal, your multivariable analysis says he’s 40% likely to close the deal this quarter, giving you a sales forecast of $4,000. Your second rep is selling a smaller, $2,000 deal and is earlier in the process, yet their win rate is through the roof, also giving them a 40% chance of closing the deal this quarter and a forecast of $800. Your total sales forecast at this point for the quarter would be $4,800.

Even if you’re not great at forecasting sales today, there’s still hope for you yet.

Hands down, the best way to get better at forecasting your own monthly and quarterly results is to dig deep into the numbers—take a look at results from previous periods, calculate win rates, develop and refine your own multivariable forecasting model to see how accurate it can become at predicting your own results.

Over time, you’ll improve and can continue refining your model by testing it out with other members on your team, presenting it to management, and getting feedback.

8. Managing Your Time + Helping Your Team Do the Same

Time management is one of the most crucial sales manager skills, because without it, you won’t be able to effectively address points 1-7. Here are some of the most important time management strategies to employ today.

  • Set and maintain boundaries: Other people don’t like boundaries, because it means they get less of what they “need” in the moment. Too bad, though. If you want to be a good manager, you need to learn to set your boundaries and then hold them unless there’s a true fire. That means don’t schedule extra meetings, don’t allow anyone to barge through your door all day, and never miss client-facing obligations unless you truly can’t help it.
  • Block out time for day-to-day tasks: Most of us find that once the day begins, there’s a good chance it will get away from us. That’s why it’s important to prioritize and do the hardest tasks first. If you plan to get one big thing done in the morning and one big thing done after lunch, then you’ll have a pretty good day - even if everything else goes to pot.
  • Do advanced diary planning: Knowing what’s coming down the pike will make the above much easier, so always look through your calendar the day before.
  • Avoid multitasking: Multitasking is a myth . Your brain is not capable of doing two things at once; it is merely capable of making you think it can by switching between them really, really fast. However, that time it takes to switch is time you could be using on just one task, if you keep your calendar simple and complete things one at a time. Let go of the myth.

A sales manager who can show these time management principles in action will inspire sales representatives and increase overall team efficiency, so hone these sales skills today.

Qualities of a Good Sales Manager

Wondering what qualities you’ll need to succeed as a sales manager? Both interpersonal skills and soft skills come into play, including:

  • Active listening and strong communication skills
  • Customer relationship management skills using a high-quality CRM
  • Strategic planning and analysis skills
  • Proactive lead generation and prospecting skills
  • Ability to develop new sales strategies and implement them
  • Willingness to take feedback and use others’ ideas
  • Collaboration and delegation skills
  • Analytical skills and attention to the bottom line

Keep in mind that a successful sales manager may need to spend some time developing some of these qualities. Not all sales leaders will perform perfectly in each of these, especially if you’re are newer to the field.

C-5: Commissioner Clements’s Partial Dissent Regarding Great Basin Gas Transmission Company

Docket No. CP23-466-000

I partially dissent from the Order for two reasons.  First, I dissent from the discussion in paragraphs 62 and 63 contending the Commission has no means for assessing the significance of the impacts of greenhouse gas (GHG) emissions. [1]   As I have repeatedly explained, this language is objectionable because it (1) reflects a final Commission decision that it cannot determine the significance of GHG emissions, despite the fact the Commission has never responded to comments in the GHG Policy Statement docket [2] addressing methods for doing so; and (2) departs from previous Commission precedent without reasoned explanation, thereby violating the Administrative Procedure Act (APA). [3]  

Second, I dissent from the Order’s discussion in paragraphs 62 and 63 because there is a tool the Commission can use to assess the significance of GHG emissions: the Social Cost of Greenhouse Gas Protocol (SC-GHG Protocol).  The Natural Gas Act (NGA), [4] the National Environmental Policy Act (NEPA), [5] and the APA [6] require the Commission to assess and fully consider the environmental impacts of the 2024 Expansion Project’s GHG emissions, which it failed to do because of its misguided rejection of the SC-GHG Protocol.  For the same reasons I explained in Transcon. Gas Pipe Line Co. , [7] the Commission should have (a) used the SC-GHG Protocol to assess the significance of the project’s GHG emissions in its NEPA analysis, (b) factored the SC-GHG Protocol’s monetized values into its NGA section 7 public interest determination, and (c) fully explained in the Order how it factored the project’s GHG emissions into its decision to issue a certificate for the project.   

For these reasons, I respectfully dissent in part.
