This article explains all the different ways you can create, share, edit, print, and open PowerPoint files for free, without ever installing PowerPoint to your computer.

Microsoft PowerPoint Online

PowerPoint Online is the web version of PowerPoint and my absolute first pick when I need to edit a PPTX file online. It doesn't have all the features as the desktop edition but it still lets you edit existing files, create new ones, share presentations with others, and print off presentations. And all of this works from a browser, so there's nothing to download or install.

This version of PowerPoint is available if you have a Microsoft account (any email address that ends with hotmail.com, outlook.com, live.com , or msn.com ) or a Microsoft 365 work or school account.

The easiest way to view or edit an existing PowerPoint file online is to drag it from your computer and drop it directly on the PowerPoint Online web page, or use the Upload link on that page. You can also save it to your OneDrive account.

PowerPoint Online is compatible with all versions of PowerPoint. You can save a presentation from PowerPoint Online back to your computer in a number of file formats, including images, PDF, PPTX, and ODP.

Microsoft also provides PowerPoint to mobile users. There's an app for Android, iPhone, iPad, and Windows 11/10 devices (mobile, PC, and Surface Hub). The Microsoft 365 app for Android and iOS also includes PowerPoint, along with Word and Excel.

Similar to the online PowerPoint viewer, the app has you log in with your Microsoft account so that you can access all the files from your OneDrive account, the ones that are stored on your device, and PowerPoint files saved in other cloud storage services (like Dropbox, Box, and several others).

You can edit directly from the app and use the menu from an open slideshow to save as a new title and to print it off.

The two options described above are Microsoft's free methods for opening PowerPoint files, but third-party programs can be used, too.

You downloaded pictures from your camera, phone, or USB drive. Now you want to share these galleries with friends and family in a nice presentation. This guide shows you how to view a slideshow on Windows 10 using native tools.

This guide explains two built-in methods: using the Photos app and using File Explorer. The benefit of the Photos app is that you have immediate access to other albums and folders without digging through File Explorer. Meanwhile, the File Explorer version provides built-in slideshow controls not present in the Photos app.

Normally, all you need to do is double-click on an image file to launch the Photos app. If Photos isn't set as the default image application on your computer, right-click on a photo, hover over "Open With," and select "Photos."

Once the app loads, you'll see the static picture on your screen. Hover your mouse over the picture's left or right side and you can advance or "rewind" to another image using the virtual arrow overlays.

To start a slideshow, click the three-dot button located in the top-right corner. This expands a drop-down menu listing a "Slideshow" option at the top. Click this option to start the show.

Use Slideshow in Windows 10 Photos App

Once the slideshow begins, it will cycle through all images stored in the initial photo's associated folder. The slideshow will not add pictures stored in sub-folders.

For controls, you can press the Right Arrow key to move to the next picture or press the Left Arrow key to rewind back to the previous image.

Alternatively, you can add a folder to the Photos app and view a specific slideshow at any time.

First, click the Windows button in your taskbar followed by the Photos app located on the Start Menu. If you can't find it, type in "Photos" immediately after hitting the Windows button.

With the Photos app open, select “Folders” on the app's toolbar followed by the “Add a Folder” tile.

In this next step, you might see one of two scenarios:

  • A pop-up window with suggested folders. Ignore those and click the “Add Another Folder” link to open File Explorer. You can always add folders later.
  • No pop-up window. The "Add a Folder" button sends you straight to File Explorer.

With File Explorer open, locate the folder you want to add and click the “Add This Folder to Pictures” button.

After File Explorer closes, click once to open the folder you just added in the Photos app. Once inside, click the three-dot button in the top-right corner followed by the Slideshow option in the drop-down menu.

Your display(s) will grow dark, and the slideshow will begin.

You can view specific images in a slideshow by holding down the CTRL key while selecting each image in the folder. You can also select a string of images at once by holding down the SHIFT button while selecting the first and last images.

In both cases, right-click after selecting your images and select the "Open" option on the pop-up menu. Once the Photos app loads---if it's set as your default---start the slideshow as instructed.

This method does not use the Photos app. Instead, it relies on built-in tools in File Explorer. You can view pictures in a slideshow located in any folder, whether it's on your PC, a USB stick, or an external drive.

For instance, if you have pictures stored in the Downloads folder, you can select any image and view them all in a slideshow, even if they’re all divided into separate subfolders.

First, click the folder icon located on the taskbar. This opens File Explorer.

Navigate to the folder storing your pictures and single-click on any image to select it. The “Manage” tab appears along with the “Picture Tools” option on the toolbar. Click this new “Picture Tools” entry followed by the “Slideshow” button on the resulting drop-down menu.

Your displays(s) will grow dark, and the slideshow will begin.

If you’d rather just view pictures in a specific subfolder, enter that folder, select an image, and follow the steps.

Similar to the Photos app, you can view specific images in a slideshow by holding down the CTRL key while selecting each image in the folder. You can also select a string of images at once by holding down the SHIFT key while selecting the first and last images.

However, unlike the Photos app, select "Picture Tools" in both cases followed by "Slideshow" to watch your selected pictures in a presentation.

This is simple: Just right-click on any image displayed during the slideshow. You’ll see this pop-up menu as a result:

As shown, you can change the speed, shuffle or loop your pictures, and so on.

This menu does not appear during slideshows within the Photos app.

If the person I am sending this too, does not have Powerpoint installed, can they still view the presentation? Do they need the power point viewer or will it just play in Windows 10?

The last version of PowerPoint to have a Viewer program was 2010. You can still download the Viewer program from here:  PowerPoint Viewer , but the last supported operating system was Windows 7.

I believe Microsoft wants you to use PowerPoint Online now, even though it doesn't have all the features that desktop PowerPoint has. You can try out your presentation by uploading it to OneDrive, then opening it in PowerPoint Online.

Not so loud!  I don't want my copies of PPT 2016 to hear that they're not supposed to be able to do this.  So far, they don't know any better, and I like it that way.

PPS wasn't a standalone file format.  It was just a tricky way of making PowerPoint start the presentation automatically in slide show view.  Now PPSX does the same thing.

Either way, you need PowerPoint or a viewer to see the presentation.

Try this, though:

Open the file you want to share.

Choose File | Export

Choose "Package presentation for CD"

From there you can either have PPT burn the presentation file and some other bits to a CD or to a folder that you can burn to CD later.

If the user's settings allow auto-run from CD, it'll start and prompt them to download and install the viewer automatically (a button takes them to the download page).

Steve, will the current Power Point Viewer be able to display Shows exported as .ppx ? I have a customer that needs to create shows on one computer and display them on another computer that does not have PowerPoint. It would be easier to not have to do it from an Online Version. If we can just create a Show and copy the file over that would be great. I can't test it myself because all my computers already have power point on them, I don't want to remove office just to test it over here.

I'm in the same boat ... Office on all the computers.

However, when you Package for CD from even PPT 2016, it saves as a PPTX file, so I'd think that the viewer the package links to would support PPTX (and if it's a 2007 viewer, it would ... 2007 was the version that introduced PPTX format).

One note:  the viewer won't work on Mac or any other non-Windows devices.

No, MS does not provide a full function 2016 viewer (they "naturally" ASSume that everyone has Office installed)

The 2010 Viewer works in W10 for me.

Maybe that's because I also have 2010 full version installed OR because it's a Mac running parallels but it definitely works.

I, too, am able to run PowerPointViewer2010 on Windows 10. However, the app is unable to open files from the desktop folder (I get a weird error saying the folder does not exist) and I can't seem to set the "open as default" to PPV for any files. The PowerPointViewer.exe executable itself is nowhere to be found on disk, even though a shortcut is installed in the StartMenu. The shortcut destination property is empty. 

I'm thinking that this function might be built into W10 and the PPV installer is just cosmetic. 

W10 doesn't have a built in PPTviewer.

The Viewer exe is PPTVIEW.exe if you are searching for it when setting the file associations. It would normally be in C:\ProgramFiles\Microsoft Office or C:\ProgramFiles (x86)\Microsoft Office if you have 64 bit Windows.

Use a screen reader to show your presentation with PowerPoint

This article is for people with visual or cognitive impairments who use a screen reader program such as Microsoft's Narrator, JAWS, or NVDA with the Microsoft 365 products. This article is part of the Microsoft 365 screen reader support  content set where you can find more accessibility information on our apps. Use PowerPoint with your keyboard and a screen reader to deliver your presentation to the audience using the Presenter View or Slide Show view. To make the most of your presentation, we recommend that you use the Presenter View . We have tested it with Narrator, JAWS, and NVDA, but it might work with other screen readers as long as they follow common accessibility standards and techniques.

In the Slide Show view, the Presenter View starts automatically when you are connected to a second display. In the Presenter View , you can work with your notes as you present, while the audience sees only your slides.

What's new in Microsoft 365

Use PowerPoint with your keyboard and VoiceOver, the built-in macOS screen reader, to deliver your presentation to the audience using the Slide Show view or Presenter View . In the Slide Show view, your presentation is shown on your computer screen the same way your audience sees it. In the Presenter View , you can keep your presentation with the speaker notes on your computer screen, while the audience sees the notes-free slides projected to another screen.

Deliver your presentation on two screens using Presenter View

To start the slide show, do one of the following:

To start the slide show from the first slide, press Command+Shift+Return.

To start the slide show from the current slide, press Command+Return.

To move to the next slide, press either the Right or Down arrow key or Spacebar.

To go to the previous slide, press the Left or Up arrow key or Delete.

By using two screens and Presenter View , you can run other programs and access the speaker notes on one screen while the audience sees the slides on the other screen.

Make sure that your computer can support multiple monitors and the second monitor or computer is connected to your computer.

If you're not already sharing your screen, press Command+F2 on the computer you want to show the presentation on.

On your computer, press Option+Return to start presenting in Presenter View .

Your speaker notes and slides are available on your screen, while the other screen shows the presentation only.

Tip:  If the speaker notes are shown on the wrong screen, you can swap the displays. Press Control+Option+I to open the Item Chooser , and type Swap Displays button . Press Control+Option+Spacebar to select the button, and then press Control+Option+Spacebar to swap. The focus stays on the button. To navigate away from the button, press the Right arrow key.

To move to the next slide, press N. To return to the previous slide, press P.

To move to the presenter notes section, press Control+Option+Right or Left arrow key repeatedly until you hear: "Notes pane, layout area." Press Control+Option+Shift+Down arrow key to select, and VoiceOver reads the notes. To exit the notes pane, press Control+Option+Shift+Up arrow key.

To stop presenting, press Esc.

To pause your presentation and display a blank black screen during presenting, press B.

To return to the presentation and show the slides, press B again.

To start the slide show from the slide currently in focus, swipe right until you hear "Start slide show from this slide, button," and double-tap the screen.

To start the slide show from the first slide in your presentation, tap near the top of the screen with four fingers, swipe right until you hear "Show ribbon," and then double-tap the screen. You hear the name of the currently selected tab. Double-tap the screen, swipe right or left until you hear "Slide show, tab, " and double-tap the screen. Swipe right until you hear "Play slide show from start," and then double-tap the screen.

In your slide show presentation, do one of the following:

To proceed to the next slide, swipe left with three fingers.

To go back to the previous slide, swipe right with three fingers.

VoiceOver reads the slide number and title as you land on a slide. To read the rest of the slide contents, swipe right. The focus moves to the next text box and VoiceOver reads the contents.

When you hear "End of slide show," there are no more slides to show. To exit a slide show, swipe left with three fingers.

If you want to exit a slide show right away before reaching the end of your presentation, swipe down with three fingers to show the toolbar. Then swipe left or right until you hear "End slide show, button," and double-tap the screen.

In your slide show presentation, swipe down with three fingers to show the toolbar.

Swipe left or right until you hear "Slide show black, button," and double-tap to hide the presentation. The focus stays on the button.

To show the slides again, double-tap the screen. If you've moved the focus away from the button, swipe left or right until you hear "Slide show normal, button," and then double-tap the screen.

Use PowerPoint for Android with TalkBack, the built-in Android screen reader, to navigate through the slides of your presentation. Learn how to start, navigate, and end the slide show, and how to use a black slide to hide the presentation.

You can start a slide show from the editing or the reading view. 

Swipe right or left until you hear: "Present button." Double-tap the screen to start the slide show.

While presenting your slide show, swipe up with three fingers to display the slide show toolbar.

Swipe left or right until you hear "Off, blank screen, switch," and then double-tap the screen. You hear: "On."

To show the slides again, double-tap the screen. You hear: "Off." If you've moved the focus away from the blank screen button, swipe left or right until you hear "On, blank screen, switch," and double-tap the screen.

Use PowerPoint for the web with your keyboard and a screen to deliver your presentation to the audience. We have tested it with Narrator in Microsoft Edge and JAWS and NVDA in Chrome, but it might work with other screen readers and web browsers as long as they follow common accessibility standards and techniques. You'll learn how to start, navigate, and end a slide show.

If you're using Narrator, switch off the Narrator scan mode. Press the SR key+Spacebar to toggle the scan mode off or on.

When you use PowerPoint for the web with a screen reader, use the full screen mode. Press F11 to toggle the full screen on or off.

When you use PowerPoint for the web, we recommend that you use Microsoft Edge as your web browser. Because PowerPoint for the web runs in your web browser, the keyboard shortcuts are different from those in the desktop program. For example, you’ll use Ctrl+F6 instead of F6 for jumping in and out of the commands. Also, common shortcuts like F1 (Help) and Ctrl+O (Open) apply to the web browser – not PowerPoint for the web.

To move the focus to the Slide Show  tab, press Alt+Windows logo key, S.

To start a slide show from the first slide in the presentation, press B.

To start a slide show from the current slide, press C.

Microsoft replaced the classic Photo Viewer app in Windows 10 and 11 with Photos, its modern, feature-rich image viewer. However, if you liked the simplicity of Photo Viewer, here's how you can bring it back in Windows 10 and 11.

You can enable the classic Windows Photo Viewer app using a Windows Registry script. The following Windows Registry script reconfigures and enables the Windows Photo Viewer app.

Modifying your Windows Registry involves risk as incorrect modifications can cause your system to malfunction. If you intend to proceed with the steps below, first create a restore point and back up your Windows Registry . This will help you to recover your system if something goes wrong.

  • Press Win + R to open the Run dialog. Input notepad and click OK .
  • Copy and paste the following script into the Notepad file. This script activates the Windows Photo Viewer. Windows Registry Editor Version 5.00 [HKEY_CLASSES_ROOT\Applications\Windowsphotoviewer.dll\shell\open] "MuiVerb" = "@Windowsphotoviewer.dll,-3043" [HKEY_CLASSES_ROOT\Applications\Windowsphotoviewer.dll\shell\open\ command ] @= "\"%SystemRoot%\\System32\\rundll32.exe\" \"%ProgramFiles%\\Windows Photo Viewer\\PhotoViewer.dll\", ImageView_Fullscreen %1" [HKEY_CLASSES_ROOT\Applications\Windowsphotoviewer.dll\shell\open\DropTarget] "Clsid" = "{FFE2A43C-56B9-4bf5-9A79-CC6D4285608A}" [HKEY_CLASSES_ROOT\Applications\Windowsphotoviewer.dll\shell\ print \ command ] @= "\"%SystemRoot%\\System32\\rundll32.exe\" \"%ProgramFiles%\\Windows Photo Viewer\\PhotoViewer.dll\", ImageView_PrintTo %1" [HKEY_CLASSES_ROOT\Applications\Windowsphotoviewer.dll\shell\ print \DropTarget] "Clsid" = "{60fd46de-f830-4894-a628-6fa81bc0190d}"
  • Press Ctrl + Shift + S to open the Save dialog. Alternatively, go to File > Save As .
  • In the Save as dialog, enter ActivateWindowsPhotoViewer.reg as the file name. Click the Save as type drop-down and choose All Files(*.*) . Choose a location and Save the file to your drive.
  • Next, open File Explorer , browse to the location where you saved the file, double-click ActivateWindowsPhotoViewer.reg , and then click Yes . When a warning prompt appears, click Yes .
  • After the script is executed, you'll see a success message. Click OK .
  • To apply the changes, press Win + X to open the Windows Power menu and choose Task Manager .
  • In the Process tab, find and right-click on Windows Explorer , then click Restart . Your screen may flash momentarily as Windows Explorer restarts.

Since Windows Photos Viewer doesn't have its own .EXE file, but only a .DLL , you can't open it from the search bar in Windows. Instead, to open pictures in Photo Viewer, right-click on any image in File Explorer , go to Open With > Choose another app , and then scroll down and select Windows Photo Viewer . Choose Just once to open the image. If you select Always , Windows will set Photo Viewer as the default app for that image format.

To disable Windows Photo Viewer, you must undo the changes you made earlier to the Windows Registry. It's worth making a backup again before making the changes. Then:

  • Copy and paste the following script into the notepad file: Windows Registry Editor Version 5 .00 [-HKEY_CLASSES_ROOT\Applications\Windowsphotoviewer.dll]
  • Press Ctrl + Shift + S to open the Save dialog.
  • Type DeactivateWindowsPhotoViewer.reg as the file name. Click the Save as type drop-down, choose All files (*.*) , then click Save .
  • Double-click DeactivateWindowsPhotoViewer.reg to execute the script and follow the on-screen instructions.

Once done, restart Windows Explorer , and the Photo Viewer app will be disabled.

One Photo Viewer is an excellent Windows Photo Viewer and Windows Photos alternative . It's fast, free, and offers a clean interface by placing all the controls in the context menu, decluttering the toolbar area. Right-click the app interface to view the menu and access all the tools and settings.

One Photo Viewer offers all the bells and whistles you expect of an image viewer, plus more. You can scroll through the images using the arrow keys or the dedicated buttons, zoom in and out, rotate, crop, resize, or adjust colors.

It also supports RAW formats, including HEIC and WEBP animation, a slideshow from a folder or loaded images, custom keyboard shortcuts, and a color correction tool to make quick enhancements. You can also opt for the $3 Pro version to get two additional features: a toolbar for improved functionality and thumbnails for easier navigation.

That said, if you prefer to stick with a native option, give the built-in Windows Photos app another shot. It's not as bad as you may think upon first use.

Popular third-party file explorer Files just received an update that fixes one of its most frustrating issues. Following an update to version 3.2, the Files app should be more stable when navigating through large folders. The update also adds a list view for files and folders, brings the option to change album covers on media files, and adds support for higher quality thumbnails.

Files is not made by Microsoft, so it's not the File Explorer. But it is a file explorer. It's one of the more popular File Explorer alternatives available on Windows 11 and Windows 10. Many of the design elements and features seen in the Files app are highly requested features for the default File Explorer on Windows.

This third-party file explorer has many features people have requested for years from the built-in File Explorer on Windows. It has tabs, a column view, a file preview, and a customizable interface.

Replacing File Explorer on Windows

I've followed the development of the Files app for years, dating all the way back to when it was called Files UWP. I speak with its developer regularly and have used various beta versions of the app over the years. I love the design of Files and several of its features.

When I see people discuss the Files app, they usually laud its design and feature set. But performance of the app can vary from system to system. I've had good luck with the app on some computers and run into slower performance and stabilities issues on other PCs. The app has trended in the right direction at a good pace in my experience, and I like the changes seen in version 3.2.

I don't think Files is ready to completely replace File Explorer on Windows, but it can be a powerful and useful companion app. Files has unique features that make it more than a better-looking clone of File Explorer. For example, its tagging system is excellent and will be familiar to those who use macOS.

I also like the fact that a third-party file management app frequently delivers features before Microsoft's File Explorer. Apps like this can push development of first-party apps forward, which is good for all Windows users.

The developer of Files shared a change log of all the changes seen in version 3.2:

What's new in Files

  • [Reduced] crashes when browsing large folders and when adding and deleting items.
  • List View is a new layout option that lets you display more items while taking up less space. It only shows the icons and file names of your items, without any extra details.
  • You can now change the album covers on media files directly from Files.
  • We’ve enhanced the resolution and contrast of our thumbnail previews to make them more visually appealing and easy to identify.
