Top 3 Ways to Add Icons to a Microsoft PowerPoint Presentation

icons in presentation

Maria is a Content Writer with a keen interest in Technology and Productivity Tools. Her articles can be found on sites such as Onlinetivity and Delesign. Outside of work, you can find her mini-blogging about her life on social media.

You can Microsoft PowerPoint more interesting and intuitive by using icons instead of just text. For example, most people know that an exclamation mark within a triangle represents a warning. We also know that a trash icon represents delete.

Microsoft powerpoint icons feature image

Not only are icons convenient, but most times, they make a presentation visually appealing. With Microsoft PowerPoint, users can add icons through the methods below.

1. Using the Default Icons on Microsoft PowerPoint

In applying this method, users must have a Microsoft 365 subscription . If you have one, follow this process:

Step 1: Launch the Microsoft PowerPoint app.

Microsoft powerpoint icons step 1

Step 2: On the Ribbon, select the Insert tab.

Microsoft powerpoint icons step 2

Step 3: Select the Icons tab to bring up the menu containing all the Icons.

Microsoft powerpoint icons step 3

Step 4: Browse through the icon offerings and click Insert to select your preferred icon.

Microsoft powerpoint icons step 4

Step 5: After that, right-click and select your preferred color for the chosen icon.

Microsoft powerpoint icons step 5

This method is easy, straightforward, and time-saving. However, it restricts you to only the options given by the software. In other words, you’ll have limited options.

2. Convert Emojis to Icons

Yes, you read that right. You can convert emojis to icons by following these steps:

Step 1: On the Ribbon, select the Shapes tab.

Microsoft powerpoint icons step 6

Step 2: Select the option to Insert a text box.

Microsoft powerpoint icons step 7

Step 3: Draw your textbox anywhere on your PowerPoint slide.

Microsoft powerpoint icons step 8

Step 4: Press and hold the Windows + . (period) keys together. Then, the emoji menu will pop up.

Microsoft powerpoint icons step 9

Step 5: Select your preferred emoji and it should show up in the textbox.

Microsoft powerpoint icons step 10

Step 6: Select the Shapes tab and insert a rectangle over the emoji.

Microsoft powerpoint icons step 11

Step 7: Right-click the rectangle and click on Select to Back and this should bring the emojis forward.

Microsoft powerpoint icons step 12

Step 8: Click on the rectangle, hold down the Ctrl key and click on the text box with the emoji in it.

Microsoft powerpoint icons step 13

Step 9: Click on Format, Merge Shapes and Intersect and the emoji becomes an Icon.

Microsoft powerpoint icons step 14

Step 10: To change the color of the Icon, simply right-click and select your preferred Fill or Outline color.

Microsoft powerpoint icons step 15

You can choose from a wide range of options, and that’s cool. Also, the method is available to both Windows and Mac users. However, this method works only for Window 10 and not the earlier editions.

3. Create Icons Using Shapes

This method is perhaps the most creative as it gives room for innovation and creativity. It involves the use of Shapes and the Merge feature on PowerPoint.

Step 1: Using a search engine, search for an icon you want to create. In our case, we opted to create a warning sign.

Microsoft powerpoint icons step 16

Step 2: Break down the components or shapes making up the sign. A simple warning sign has an exclamation mark in the middle of a triangle.

Microsoft powerpoint icons step 17

Step 3: Insert the relevant Shapes. In our case we opted for a Triangle, Parallelogram, an Oval and the Delay Flow chart Shape.

Step 4: Combine the relevant Shapes in the form of your envisioned Icon.

Microsoft powerpoint icons step 18

Step 5: Highlight the Shapes by holding down your left key and creating a rectangle around them.

Step 6: On your keyboard, click on Ctrl + G to group the shapes.

Since the icons are being created using Shapes, users can create different varieties. The only downside is that you need to know PowerPoint well enough to pull this off for achieving a desired look.

Make Presentations Fun

One or all of the methods mentioned above should be useful in helping you add diversity to your Microsoft Presentations. Alternatively, if none of the above options are up your alley, you can always browse through the Internet for ready-made icons and insert them in your Presentation. However, a downside to this seemingly easy method is that the scalable vector graphics aren’t always free.

How to Find the Right Icon and Use It [PPT best-practice]

Last Updated on October 18, 2022 by Anastasia

Using the power of icons is a great way to make your PowerPoint slide visual. Adding a graphical symbol helps to understand better the points you want to make. However, choosing a proper icon and incorporating it into your slide in a consistent way may take you some time.

In the following lines, I would like to share a bunch of designer tips on how to select and quickly adapt icons to enrich your presentation. I am using these tips almost daily with every slide redesign project we work with.

There are four criteria to consider when choosing an icon: Idea , Contrast , Space , and Style . Let me explore and explain each of those areas.

1. Icon Idea

When you want to add an icon to your slide, firstly decide what that icon should represent. It can be a specific object, quality, feature, or keyword from your message.

For example, for an idea of “benefit”, you can use a thumb-up icon or swoosh sign.

benefits concept outline icons

Icon symbol should be simple, so your audience can understand its meaning in a glimpse of an eye. It should also represent well the concept that you want to convey. Find a balance between being too general and not too complex.

If you work with PowerPoint templates from infoDiagram, use the Find function (Ctrl+F) to search for an icon inside our presentation decks. We include an icon set at the end of our templates. If your icon is not there, try the search on infoDiagram.com webpage. Or ask us for an icon suggestion in the webpage chat.

If you have an abstract concept to show, it can be harder to find an icon idea quickly. For example, to express Action, Change, Tax, or Outcome. It’s not that easy. Therefore we created an idea pool you can use – check our blog article 50+ Business Concepts Visualized by Icons .

2. Icon Power – Contrast

After you’ve found your icon, decide what visual power you want to give it. Ask yourself, how much you want to expose the symbol by using visual contrast.

The visual contrast is set by icon size and color.

  • the bigger the icon is, the more attention it will take from the reader and that person will be less focused on other content.
  • the same with the color – the light grey icon is less “screaming” than a dark black pictogram.

Notice the different contrast of icons in the example below – the symbols at the bottom serve as a light illustration of the 4 stages. On the other hand, the plane icon inside the dark blue circle gets most of the attention because of its size and strong colors.

icons usage powerpoint tips

Design Hint: Watch out when resizing the icon – don’t change the overal proportions of the symbol. Click the corner white point and hold Shift to keep the icon proportions. If you also press Ctrl, the resizing will happen centrally.

3. Space for Icons

You should also consider how much space you have on your slide. Adding icons should not make your slide too dense. It should make it easier to understand but not harder to read.

Be aware that some graphical styles of the icon symbols don’t look good if they are too tiny or too big. If your slide is already overcrowded with content, choose an icon that looks good even if it is small. For example, outline icons look better if they are over half an inch big (or 1cm). And simple flat icons are recognizable even if they are tiny, as you can see here:

survey participants statistics - symbols usage example

4. Icon Style

The fourth thing is the style that you want to express in your presentation. Ask yourself a question:

  • Do you want your icons to look neutral , not to steal too much attention? Then consider simple flat icons.
  • Should symbols express modern elegance ? Try outline style.
  • Do you want to express out-of-the-box thinking and a creative approach? Check hand drawn scribble style.

icon styles examples powerpoint

Design Hint: A secret of a professional presentation look is consistency. Speaking of icons – avoid the mistake of mixing icon styles (gradient, hand-drawn, flat, outline style…). Because then your presentation will look as glued together from a mix of sources.

After choosing the right icon by its topic and style, let’s look at how you can incorporate it inside your slide .

You can check more examples of using icons in the various context in our Resource section mentioned below.

I hope these tips will help you create slides that will be visually attractive and clear to understand. Good luck with your next presentation.

Let’s start at the very beginning: finding decent icons. If you’re using Office 365, you’ll be able to access PowerPoint’s native presentation icons. We have a blog post describing how to insert PowerPoint icons in Office 365 , so hop over there to see a video tutorial.

Here’s the CliffsNotes version:

  • Click the Insert tab
  • Select Icons
  • Choose icons and click Insert

Screenshot of PowerPoint's insert icons pop up window

PowerPoint’s icon library is extensive and frequently updated, so you’ll probably find what you’re looking for. Once you’ve inserted an icon, you can format it in a similar way to PowerPoint shapes, by changing the fill colour, line colour and graphic effects. You can also crop icons just like you can crop images.

Unfortunately, the icon library isn’t available in earlier versions of PowerPoint. However, there are plenty of free presentation icon resources online like The Noun Project – an icon library with over 2 million icons!

screenshot of the noun project website

When you’re selecting icons from an online resource, keep the design style consistent. This helps your presentation look professional. For example, the beach-related icons above are completely different styles and would look odd if they were all used on the same slide.

The Orion icon library is a great resource as you can filter the results by style – line, solid, colour, or flat.

Whenever you’re drawing on an online resource, it is important to know your way around the various licences involved. We’ve got a quick guide to Creative Commons for the uninitiated.

And for more wonderful resources, check out our free online design resources blog post!

A final tactic to track down handy icons is to use a pictorial font, such as Wingdings (and Wingdings 2 and 3). You’ll have to do a bit of digging – and don’t forget the numbers and punctuation! Here’s what I found:

Varied symbols including pointing hands, thumbs up, arrows, phone, floppy disk, scissors, flag, flower, bell and more.

Mining a pictorial font for icon gold allows you to avoid crediting another creator. Wingdings is accessible no matter what version of PowerPoint you’re using. You can change the size and colour of the pictograms, increase line thickness by bolding the text, and then place them on custom icon holders to rapidly create a set of presentation icons.

Creating custom icon holders in PowerPoint

Speaking of custom icon holders… See what I did there? Seamless. Popping icons on coloured custom holders is a quick and easy way to bring generic icons from PowerPoint, or an online resource, in line with your branding. And, once you’ve made one, you can copy and paste it to your heart’s content!

icons in presentation

Before you start, make sure your brand colours are set as the PowerPoint theme colours. This will make it easier to stick to the right colours when you’re designing your icon holders. Not sure how to change theme colours? Read this easy-to-follow guide.

Custom icon holders: 3 ways

Examples of 3 types of icon style: split colour, playful shapes, shadow.

Split colour

  • Insert > Shapes > Circle. Draw a circle on your slide.

PowerPoint screenshot showing the Merge shapes tools

  • Copy and paste the semicircle ( Crtl + C > Crtl + V ) and rotate it, lining up the two straight edges.
  • Remove the outline colour and pick your fill colours. Colours that are one shade apart work well for this style. The icon must be clearly visible, so it needs to have a high contrast with the colours you choose. Our free add-in, BrightSlide, can help you check the colour contrast between two shapes – click here to learn more .
  • Finish by grouping the two semicircles together, select both, right – click then select Group > Group .

You don’t have to use circles for presentation icon holders. If there’s a particular shape associated with your brand, a hexagon perhaps, you can use that as an icon holder shape instead.

Playful shapes

  • Insert > Shapes > Circle . Draw a circle on your slide.
  • Right – click and select Edit Points . This will bring up a thin line around the circle with square black nodes.

Screenshot of the right-click menu in PowerPoint showing where the Edit Points tool is located

You can drag the black nodes around to alter the shape.

icons in presentation

  • Right – click to view the options for each segment. For a blobby shape (that’s a technical term!), select Smooth Point for each node. You can also add or delete the black nodes by right-clicking.

Have a play and see what you can come up with! Stick to two or three shapes to give a playful, informal look to your slides without descending into blobby-shape chaos!

This is the fiddliest custom icon holder idea I’m sharing, but it looks so good that it’s worth the effort!

  • Insert a shape onto your slide – whatever shape you want to use for the main holder.
  • Insert an icon and place it on top of the shape.
  • Insert a rectangle , remove the outline, and change the Fill Color to a shade slightly darker than your icon holder.
  • Move and resize the rectangle so it sits where a shadow would fall if your icon had one.

Screenshot of PowerPoint showing a darker shape in place making a shadow

  • Now comes the tricky part. Use the Freeform shape tool to draw a shape following the outline of your icon. Zoom in, right – click on the finished shape, click Edit Points and drag the nodes to get a more accurate outline.

icons in presentation

If you’re struggling, remove the fill colour and set the outline colour to something that stands out.

  • Select the shadow, then select the icon outline and use the Boolean Subtract tool to cut out the shape of your icon from the shadow.
  • If you’re using a non-rectangular icon holder, you’ll have to use more shapes and the Boolean tools to get the edge of your shadow to line up with the edge of the icon holder. For this example, I duplicated the icon holder and freeform shape, then used the Boolean tools to create a curved edge to the shadow.

Custom icon holders are an excellent way to quickly brand presentation icons. But if you have a bit more time, you can go further and customise the icons themselves. I’ve got a few PowerPoint tricks that will help.

Convert PowerPoint icons to shapes

  • Insert an icon from the PowerPoint icon library, go to the Graphics Format tab and select Convert to Shape .
  • Right – click the icon and select Group > Ungroup . This will split the icon up into separate objects that you can edit individually, giving you more control over the design of each element. For example, you can fill each element with a different colour.

icons in presentation

Most PowerPoint presentation icons only have one or two components, though, which limits what you can do with them, even when they are ungrouped.

Use sketchy lines

A recent shape formatting option in PowerPoint is the sketched outline. There are a couple of different styles available, giving shapes a hand-drawn look. You can apply this style to an icon by converting it to a shape first.

  • Insert a PowerPoint icon and use Convert to Shape .
  • In the Shape Format tab, under Shape Outline , select a Sketched

Sketched outlines can have all standard PowerPoint formatting options applied to them, including line thickness, shadow, colours, gradient, etc.

Add simple shapes

Adding extra detail to standard icons is one way to create a unique icon library. Whether you insert a basic shape behind each icon, or use the Freeform shape tool to add more detail, this is the time to let your creativity roam free! Remember to group your finished icon together to make it easy to copy, paste and move around a slide.

icons in presentation

There you have it – 3 easy ways to customise icons in PowerPoint. Of course, it’s also possible to create custom icons from scratch using nothing more than PowerPoint shapes! This is a lot more time-consuming, so might not be the best option for everyone. However, if you’re a creative soul, there are some helpful video tutorials on YouTube to get you started.

Whenever you create a new icon, save it in a special PowerPoint file and make a note of what that icon represents (e.g., investment, innovation, retail) so you can use it consistently across multiple presentations. Whenever you need an icon, you can simply open up the file and copy and paste one you’ve made before.

If you want to get really clever about it – and we always do! – check out our blog on creating responsive SVGs and smart icons in PowerPoint. With a nifty bit of coding, you can make Smart Icons and Illustrations where you can select which parts of an SVG will change fill colour, which parts will change line colour, and which parts don’t change at all, giving you a terrific degree of creative freedom and allowing your icons and illustrations to change in response to your theme colour, template, and brand.

The final step in creating custom icons in PowerPoint is animation – the cherry on the cake! Here are 3 sugary-sweet animation tips.

Make it pop

The first animation comes courtesy of our free add in BrightSlide . BrightSlide has a bunch of design and productivity tools, but it’s the Animation library we’re interested in today. This comes pre-loaded with some of our designers’ favourite animation combinations, perfect for creating smooth, beautifully animated slides in a few clicks.

  • Select your icon, click on the BrightSlide tab, then My Animations .
  • From the drop-down list select Bounce Entrance .

A mask in PowerPoint is a shape you use to hide parts of a slide or objects. Instead of using circular icon holders, with this method you insert a mask, then cut a circle or circles out using the Boolean Subtract tool.

  • Insert a rectangle to cover all or part of your slide. Change the fill colour to match your design.
  • Insert circles and use the Align tools to space them out evenly. This is where your icons will appear.
  • Select the rectangle, then each of the circles. Under the Shape Format tab, find the Boolean tools and select Subtract .
  • Insert your icons, place them in the centre of the cut-out circles and use the Arrange tool to move them behind the mask (select icons, right-click, Send to Back ).
  • Animate the icons in using a Fly I n

This is one way to make a slide look dynamic and give it some depth. Masks in PowerPoint are super versatile and well worth getting to grips with. For more, check out this blog post .

Animate with purpose

You can tell visual stories using presentation icons. Animation is particularly helpful when you want to show a change (positive to negative, small to large, etc.). There are several components you can play with.

In this example, the direction the icons animate in reinforces the slide’s message about what will be left in the past and what to expect in the future.

This animation is from the BrightSlide animation library: Fade <- and Fade ->

Changing the size of icon can help draw attention to a certain section of the slide, or signal a change. In this example, the icons help visualise the data, so the audience can get the main point of the slide at a glance.

Icon change

You can use the Fade in/Fade Out animations to change one icon to another, a tick to a cross, for example, to show change on a slide.

Movement and colour change

Using motion path animations in PowerPoint, you can move icons around your slide to help visualise your story. In this example, I combined a motion path and colour change to show the physical movement of children from one place to another, and the change from a negative to a positive outcome.

To apply a motion path, go to the Animation tab, select Add Animation , then select the type of Motion Path you want. This example uses an Arc.

There are colour change animations in the Add Animation drop-down, however you cannot use them on a grouped object like an icon.

You can still achieve the colour change effect, however, by copying and pasting the icons at the end of their motion path. Downloading our free PowerPoint add-in, BrightSlide, is the easiest way to do this.

  • Select your icon.
  • In the BrightSlide tab under Utilities , select Motion Path then Duplicate at end point . This will create a copy of the icon where the motion path ends.
  • Recolour the icon and add a Fade In animation that plays when the motion path ends.

If you want to take your animation even further by animating the individual components of your custom icons, then I recommend watching this YouTube tutorial .

PowerPoint Icons: Eye-catching visuals for your presentations! Includes four great ideas for using them effectively

Whether it’s on your smartphone, on web pages, or in business brochures, icons (little pictograms: arrows, signs, etc) are everywhere now . You can use PowerPoint icons to great effect in presentations, too! They’re a really useful way to catch your audience’s eye, and, skilfully used, they can add to the effectiveness of your slides, complementing your text and highlighting your ideas.

Why use PowerPoint icons? What’s their advantage?  Read on to find out!

PowerPoint Icons: So, what are they?

A PowerPoint icon (or pictogram) is a graphic symbol that conveys meaning by representing a physical object in a simplified manner . We actually come across pictograms al the time – on road signs, maps, public notices etc, so we’re very used to them as an instant way of conveying information. They rely on simplicity to get their message across.

A classic example is at traffic lights. A red, standing figure is instantly understood as “don’t cross”, while the green, walking one means “cross”.

As you can see, icons work without words and are still understood.

The advantages of using PowerPoint icons

Let’s face it: most presentations are stuffed to bursting with overmuch text, bullet points, dry facts & figures, and Excel spreadsheets. But, as you know, visual content is much easier to understand and remember . Graphics and images can also convey your story, emotions and brand much more effectively than just text .

PowerPoint icons have, in addition to images, become very popular for creating variety, structuring your slides and setting visual anchors . Although they are simplified representations, icons don’t come across as childish, but as professional due to their simplicity . They make your presentations look tidy. A simple way to guarantee that your PowerPoint slides get more attention!

Using icons as visual navigation aids is a great way to guide your audience through the presentation. By using specific icons as shortcuts for sections, topics, or references to previous slides, you make it easier for the audience to navigate and enhance the overall structure of the content.

Tip: Make the most of PowerPoint icons’ versatility: Besides static use, you can also incorporate animation effects into your pictograms . Cleverly integrated animations can bring icons to life, capturing the audience’s attention and making the presentation more dynamic. Animation functions such as fade-in, rotate, or zoom can add an extra dimension to the icons and help reveal information gradually, supporting the flow of your narrative.

More advantages of icons:

  • PowerPoint offers free, royalty-free icons (see below for where to find them).
  • The icons are freely scalable, because they are vector graphics. Their resolution doesn’t change
  • They can be color-customized
  • Icons improve readability

Icons instead of bullet points

One area where PowerPoint icons have really proven their worth is in lists . The familiar bullet points are often used here. Although these serve their purpose, they are overused, visually boring, and don’t add anything in the way of information.

The best way to get rid of bullet points is to replace them with icons.

Use PowerPoint icons in your lists instead! Just substitute icons for your bullet points. They not only lighten up your slides, but can support your ideas.

Where to find icons in PowerPoint

PowerPoint offers its users a great selection of free icons . Just go to the Insert tab and click on Icons . A pop-up window opens, with a selection of over 500 PowerPoint icons sorted into categories. Using the search field, you can find suitable icons with a keyword.

How to insert icons in PowerPoint

Once you’ve found the icon you want, just click on it. A check mark will appear beside your selection. To place the icon on your slide, just click Insert . Done!

Want to insert more than one PowerPoint icon on your slide? Then just select as many PowerPoint icons as you want before clicking Insert . (PowerPoint handily keeps count of how many icons you have selected.)

PowerPoint Icons how to insert them

Customizing PowerPoint icons

Microsoft PowerPoint offers black icons by default, but you can easily change their color, resize them, and adjust individual elements of each icon .

To edit your PowerPoint icon, just click on it. The Graphics Format tab will open.

To change color In the Graphics Format tab, click on Graphics Fill . You can now select color you want from the pop-up window, or set a custom color under More Fill Colors .

PowerPoint Icons customizing them

Editing individual segments of icons

Microsoft PowerPoint allows you to customize individual components of icons. Here’s how:

  • Go to the Graphics Format tab, and click on Convert to Shape .

PowerPoint Icons Convert to Shape

  • In some PowerPoint versions, a pop-up window will appear warning that the icon is being broken down into its individual parts and no longer represents a unit. Click on Yes to continue.
  • You will now see the icon broken down into its individual parts on your slide. To edit individual elements, press the key combination Ctrl + Shift + H to ungroup them.
  • You can now simply edit whichever elements you want, separately.
  • When you’ve finished editing  , you can save your customized icon as a vector graphic, so that you can include it on your slides in the future. Just right-click it, and in the context menu that opens, select Save as graphic . Tip: Save the vector graphic as an .emf or .wmf file. You can use these files in all PowerPoint versions without any problems.

These are the aspects to consider when using icons in your presentation

Choose icons that align with your target audience and the theme of the presentation . It’s important to select icons that resonate with your audience and are relevant to the content being presented. Use icons sparingly to avoid overwhelming the slides. Icons should enhance the message and not distract from it.

Ensure consistency in the use of PowerPoint icons. Harmonize their size and color to maintain a cohesive and professional appearance throughout the presentation. Consistency strengthens the visual identity of the presentation and contributes to a strong brand perception.

PowerPoint icons play a significant role in brand communication , so it’s crucial to use the same icons consistently to reflect your corporate design. This enhances brand recognition and memorability , as customers and partners associate the icons with your brand and develop a positive connection, ultimately fostering brand loyalty and improving the image of your company.

Flat Design Icons

Flat Design is a sleek, graphically minimalist design style. It’s well suited to the simple visual nature of icons. With our Flat Design icon collection 2.0, we’ve added drop shadows and highlights in different color palettes to extend the style. This gives the icons depth, and makes them more impactful due to the color contrast.

Save space on your slides and convey content in a vivid and memorable way by using flat design icons.

Isometric Icons

Isometrics is the design trend for modern presentations. Isometric design moves on from the previously dominant flat design. Isometric PowerPoint icons retain the simple, minimalistic visual impact of flat design, without special effects such as shading or gradients.

Where Isometrics differ from Flat Design is in three-dimensional representation , which gives the isometric designs a perceptible depth. The 3D design makes the PowerPoint icons look even more vivid and interesting. It also allows more detail in the icons, so you can customize them to fit your theme even better.

Isometric icons are also great for replacing bullet points. Try it out, and keep the thread of your points going with visual accents!

cons have become an everyday part of our lives. We’re used to seeing icons as placeholders for software, tasks, settings, etc. Icons are even used in every day signs…think of ‘stop’ and ‘exit.’

They are also very useful in presentations.

What is an icon?

An icon is simply a visual symbol that represents an object or a concept.

A concept or an object can be represented by almost any number of icons. The concept of ‘success,’ for example, could be represented by any of the following icons:

Icons-in-PowerPoint-1

And the concept of ‘objectives’ could be represented by any of the following:

Icons-in-aPowerPoint-2

Adding icons to your slides is a simple and effective way to enhance their design and messaging.

Note:  Icons in their simplest form are simply images. However, if you want to customize them to better fit your presentation’s design, you will need to either create icons from scratch, or insert icons as vectors. Alternatively, if you have the Office 365 subscription, you can insert icons as native PowerPoint shapes.

Where to find icons

If you’re going to work with icons in PowerPoint, it’s helpful to understand how to:

  • Find icons on the web – see  our favorite online sources of free icons
  • Cut icons the WebDing icons on your computer ( see example here )
  • Create icons from scratch
  • Format, ungroup and customize icons
  • Convert EPS to SVG

How to use icons in PowerPoint

Once you get icons into your presentation, you’ll likely need to know how to:

  • Save icons as images
  • Use icons in creative ways
  • Use shortcuts for inserting icons

5 Easy Ways to Get Beautiful Icons into Your PowerPoint Slides

Yousef "yoyo" abu ghaidah.

  • September 12, 2019

The world goes by so fast. As humans, we need quick and easy ways to process information.

And that's precisely what icons do!

Icons provide essential instructions or descriptions through visual representation. And the cool part? This is usually done in the form of a single image .

Think about it: We all know that a circle with a diagonal line means ‘no’. We also know that a cart on a website signifies purchasing something. Oh, and don't forget the magnifying glass indicating a search bar.

Tiny as they seem, icons are an innovation for visual communication. They’re simple, they create major impact, and they make your presentation look amazing .

So, here are five methods to get icons into your PowerPoint slides:

VIDEO TUTORIAL

5 Ways To Get Icons Into Your PowerPoint Slides

Method #1: The Easy Way

This is pretty basic stuff, you guys.

While in PowerPoint, click on the icon button and a wide range of categories will load up.

Design-wise, they're 'okay' and will get the job done. But personally, I prefer mine a little 'sexier' (See methods 2 and 3)!

Anyway, once you've chosen your icon, click insert and choose the color you want for your icon. All done.

Method #2: The Intuitive Way

When I discovered this method, I was over the moon.

Why, you ask? Because we get to create icons from emojis!

Here are the steps:

  • Insert a text box anywhere in the slide.
  • If you’re on Windows 10, hold the Windows key and Period key (.), and if you’re on a Mac, hold down your Command, Control and Space Bar keys.
  • Choose an emoji.

And if you’re concerned with the lack of editability, don’t be. PowerPoint’s Merge Shapes functions have you covered. Check out the video to know more!

Method #3: The Awesome Way

This is our 'go to method' when it comes to designing slides for our clients. It ensures the absolute best quality measures are in place, and leaves a lot of room for creativity.

This step involves finding SVG (Scalable Vector Graphics) icon files and bringing them (and sometimes editing them) into your PowerPoint slides. It really is as easy as that.

You can find SVG icons on websites like The Noun Project , IconMonstr , and Flaticon .

But be warned: Grabbing icons from different online resources isn’t as easy as you think. In most cases, you’ll need to either attribute the designer or pay for use.

Method #4: The Manual Way

This method involves creating custom-made icons by using simply using PowerPoint shapes.

Noble? Yes.

Smart use of your time? Not at all.

Still, kudos to those who persist!

Method #5: The Lazy Way

This method’s easy, but that 'quality finish' just won’t be there.

All you have to do is find and import a PNG file into your PowerPoint slide, make the icon white and add a colored background. Voila!

What's Your Best Approach?

Always remember that each method comes with its own merits so choose the method which will meet your presentation’s requirements.

Don't be afraid to try them all, either. The undo button is one click away, so use it liberally.

And hey, don’t forget to explore PowerPoint’s functions! Keep your presentations up-to-date, and of course, sexy.

Which of the five methods do you prefer? Do you have other ways to import or create icons in PowerPoint?

Let me know in the comments below!

Yousef "Yoyo" Abu Ghaidah

Does not seem to work on Mac Powerpoint. The option to Ungroup is grayed out after importing the EMF file to Powerpoint.

Yep, that’s because EMF is a Microsoft-focused file type it seems. I’m not sure how Mac users got around it, but what I keep hearing is using Adobe Illustrator is key!

Fantastic overview that’s really going to help me spice up my PPTs! I couldn’t agree more that icons/visuals are key to any slide deck, and I need to utilize them much more. Thanks for this!

That’s awesome KC! Although I will say, please do check back on this same post because we’re updating the guide for 2019!

Great tutorial and thank you!

You’re welcome!

You made my life easy. Awesome tutorial!

We love it when we do that ;). Thanks so much!

I have office 2016 but the insert icons isn’t there. Why not? Can you help?

Hey there! This is an Office 365 feature, not a PowerPoint 2016 feature.

Hello! I just stumbled upon your YouTube channel a few days ago. I always avoid doing the PP slides, but now, I fell in love. Thank you!

Very helpful! Regarding Method #3, how do you like to attribute owners of icons? In an appendix of a presentation? In a footnote of the slide? Hyperlinking the icon (not sure if this suffices as attribution)?

Stumbled across your site – amazing tips and handy hints. Thanks so much

How do I add an icon, like the “chart” icon to my presentation? I don’t have the option an Icon button?

Hi Yousef, could you please let me know how I can connect several objects or icons (circle, lines, pentagon, etc.) to make it easy in replicating the task. Thanks

Hi Yousef, could you please let me know how I can connect several objects or icons (circle, lines, pentagon, etc.) to make it easy in replicating the task. Thanks I Think I got it :” Group”

Grouping them up usually does the trick.

Why use Icons in your business presentations?

There are 5 big reasons why you should use icons in your business presentations:

  • Icons convey a lot of information in lot less time compared to a text based slide. So, when you use relevant icons, you grab your audience attention fast.
  • Business icons have the power to depict your concepts visually without hijacking the attention of your audience like stock photos.  So, when you use icons, you can be sure that you retain your audience attention. This is critical for high stakes business presentations.
  • Icons can help you establish continuity and consistency in idea representation. So, you can use icons as visual memory hooks to build and expand on your ideas in a long presentation.
  • Icons are non-controversial. You don’t have to worry about softer and political aspects like racial and cultural biases.
  • More than anything else, icons are easy to create and alter. This article will show you how.

For ease of understanding, we will focus only on creating ‘People icons’ in this article. Once you get the basic understanding, you can create your own variations later.  Here are some variations of People icons:

Here are 5 Ways to create Expressive Icons in PowerPoint:

 1. Use PowerPoint Shapes to create icon:

You can create a basic ‘People icon’by combining a circle with any of the shapes from the ‘auto shape’ menu in PowerPoint as follows:

tutorials to create powerpoint icons

Once you have the basic structure, you can add embellishments by using some more shapes from the auto shapes menu like you see here:

Professional PowerPoint Icons

The shapes we used to create tie, bow and jacket are the shapes from ‘Flow chart’ option in auto shapes. The embellishments help you differentiate the nature of work, the status of a person or the build.

You can even differentiate the gender and age of the people icons with some minor tweaks:

2. Control the features with Effects:

The benefit of creating these simple icons is – you have complete control of the kind of effect you want to give to the icons. For example, take a look at the following variation in effects for icons in PowerPoint:

3d icons graphics

We could change the colors and presets to create interesting variations. We could add bevel effects, 3D rotation options and shadows to our liking. You can play with the present shape effects and see how it works for you.

3. Copy the shapes to create more elaborate representations:

We can copy the icons, vary color shading and create some elaborate representations like this:

4. Vary placement to represent business concepts:

By just varying the placement and position of icons you can communicate fairly deep ideas with icons. Take a look at the following examples:

Icons as Metaphor

All we did was to use copies of the icons and draw a few lines.

5. Add elements to capture the emotions:

You can take the basic combination of a ‘semi-circle and circle’ (our people icon) to a whole new level by adding some simple elements to express emotions. Take a look at the following examples:

Emotion Icons in PowerPoint

You can add an ellipse and a couple of triangles to convey certain meaning:

Good and Evil Icon

You can change the fill color and line color to represent a different meaning:

Man Icon

The kind of things you can do with icons is limited only by your imagination.

How To Use PowerPoint Icons to Boost your Presentation Visuals

In this post, we are going to show some tips for presenters willing to improve their presentation look and feel by adding PowerPoint Icons . The advice is valid for updating existing presentations or designing new presentations from scratch.

We want to start with the distinction between what is considered a PowerPoint Icon and its difference from a simple Icon image. The main difference is that PowerPoint Icons are created with PowerPoint Shapes , allowing the user to customize all their properties (size, color, position, effects, etc.) This is an important distinction, as PowerPoint Icons do not lose quality after being edited by the user. This main feature allows presenters to manipulate PowerPoint Icons and create visually appealing designs with engaging visual aids. The following images shows how we edited the Notebook Computer Icon in different sizes, colors and effects.

Example of PowerPoint Icons in Different Sizes - PowerPoint Laptop Icons

At SlideModel.com we receive several requests from our users to create different sets of PowerPoint Icons Collections . Our Content catalog contains several PowerPoint Icons Collections. For example, in this tutorial we will use the following:

  • PowerPoint Business Theme Icons
  • Business Icons for PowerPoint
  • Social Networks PowerPoint Icons

If you are curious don’t hesitate to research our content and navigate through our Icons Collection, or check the free PowerPoint icons here.

Using Icons on Slide Headers to Represent Slide Topics

It is a good design practice to decorate Slide headers with Icons. The design principle to follow is that the Icon selected, needs to be contextually relevant to the Slide content and to the title that complements. This provides a visual association between the content and the Icon that can be exploited across the presentation to communicate through images instead of adding or repeating wording.

The following example shows how we decorated a simple business template with Icons in the header.

Icons Tutorial Our Company Mission Steps 1 and 2

The first step selects the Icon from our  PowerPoint Business Theme Icons Template. We select the Icon and Copy it to the Clipboard (Cntrl-C in windows, Command-C in Mac)

Once the Icon is in the Clipboard, the user opens the presentation when it wants to use the icons and just paste it (Ctrl-V in windows, Command-V in Mac)

Once the Icon is in the desired Slide, we can start manipulating it as any PowerPoint Shape. As seen in the image, we have a Blue Background Title, we will leave a space from left-to-right in order to locate the Title Icons. In order to match the title style, we set the background of the icon with the same fill. Just update the Icon fill as any other shape, select it and through the Shape Fill button on the Home Menu.

PowerPoint Icons Tutorial My Company Mission

Once we had updated the Icon to our needs, we locate it in the Title and resize it to match the height of the font (just use regular resizing tools or navigate our tutorial blog for assistance). Step 3 shows the final result of the Icon. The reader will note that the quality of the Icon has been unaltered through the process, and the title looks much more professional.

Using Big Sized Icons for Communicating Slide Content Ownership

Often the presenter wants to communicate the slide-related content with a higher impact than a  Title and needs to contextualize the slide content visually. In this case, having a watermark Icon as a background image or using a big size Icon can effectively communicate the Slide topic without the need to add a Text or Title.

This practice is helpful when the presentation iterates through a topic across different slides. To illustrate this case we will show the example of Social Network Icons. When we create a specific Slide for a specific social network (eg: global usage increase in the year) we can just locate the Social Network Icon that maps to the social network logo, and describe the metrics. The user will know the slide message is related to the specific social network, even though the title refers to usage metrics.

In the following example we pick up 4 Social Icons and use them as reference in the Global Usage Increase Report Slide.

Social Networks PowerPoint Icons Tutorial

The Following Slide shows how we edited the icons size and pasted it into the report slide. The title remains the same, the data changes without the need of adding references, as the Icon is auto explicatory of whom the data shown belongs to.

Using Icons in Diagrams and Dashboards

Following the previous mentioned idea of generating the visual impact of mapping a concept to a simple graphical icon, PowerPoint Icons are useful for identifying data in a populated dashboard or diagram. The use of icons from an icon collection not only will improve the visual appeal of the presentation, but will also support your content.

Dashboards and Diagrams need to communicate, in a short space, lots of meaningful data. The power of icons for this presentations can be summarized in the following 3 benefits:

  • Icons can put content in a nutshell, mapping the content meaning with a metaphor. An extremally used example is the traffic light Icon, and the ticks and cross icons.
  • Icons attract attention. Our brain draws attention first to identifiable patterns (shapes) before they start reading, or even seeing words.
  • Icons can increase readability. Basically, due to the previous point, interpreting a message faster, will increase our chances to catch all the content as a whole without the need of extensive reading.

Our first example is the Business Journey Diagram Template. This Slide presents a diagram, where each of the steps is represented with an Icon. Each icon is mapping a metaphor, that is easily understandable by the audience.

Example of Icons in a Business Journey Diagram Template by SlideModel

Our next example is our Digital Marketing Dashboard. In this case, Icons are used to relate the metrics with their scope , generating and association with the icon and the idea. Each metric is mapped to an Icon (and Logo) and the audience can easily understand it in a wrasp across the presentation.

Dashboard for Digital Marketing

As a closing argument for this post, we encourage all our users to start using PowerPoint Icons in their presentations. Slowly acquiring the habit will increase the expertise of idea mapping. Every time you feel the amount of wording is excessive, or that your speech can be summarized in a simple snapshot, that means is a good moment to think in which would be a suitable icon.

Impress your audience creating presentations that appeal to global audiences with the use of SlideModel.com PowerPoint Icons .

How to Use Icons in your PowerPoint Presentations (4 Different Ways)

Last updated on May 1st, 2023

icons in presentation

While many presenters like using large images, animations and glossy illustrations, they miss out on using something much simpler, icons! The use of icons can help you create minimalist slides which can easily explain complex topics. Many icons represent universally recognized images, which can make it easier for you to present a message without even saying a word. Here are a few tips regarding how to use icons in your PowerPoint presentations.

1. Use PowerPoint to Insert Icons

PowerPoint provides a built-in interface for inserting icons in your presentations. You can use the PowerPoint version of Microsoft 365 to access the library of icons to look for the most appropriate icons via the Insert tab and make your slides self-explanatory with the visual aid of icons available in vector format. These icons can be resized without worrying about pixelation, since they are vector images.

To add icons in PowerPoint in Office 365, go to Insert -> Icons . This will open a new window from where you can choose icons by category or search for them using keywords. You can choose from a variety of icons organized under different categories such as People, Technology, Electronics, Business, Analytics, Arts, Celebration, Arrows, Interface, Animals, Food, Location, Vehicles and more.

Insert icons in PowerPoint using the built-in PowerPoint icon interface

You can also use the Format tab to recolor and format your icons right from within PowerPoint. For example, it is very easy to change the icon in PowerPoint, using the Fill options. To change the fill color, select the icon and then right click, select Format -> Fill option and then pick the desired color.

Example of an editable PowerPoint icon - Change the color of a PowerPoint icon using Format Options

The GIF animation below shows the process of adding icons in PowerPoint using Office 365. As you can see, you can easily insert various types of icons to create easy to explain slides with the visual aid of images that can be used to universally explain various key concepts. You can also add these icons, as well as mix them with your charts, infographics and add explanatory text to make the most out of icons in PowerPoint.

2. NucleoApp

NucleoApp is another great tool (available for Mac and Windows) containing more than 20,000 scalable icons that you can use in your PowerPoint presentations. The best thing about this tool, aside the huge collection of icons, is that once installed in your desktop, you can use Drag & Drop to insert icons from the app directly into your PowerPoint slides.

Using NucleoApp as an alternative to PowerPoint icons

Unlike the default option in PowerPoint for Office 365, this app provides the utility to customize your icons before inserting them in PowerPoint. If you’re looking for something extra apart from the default icon’s library in PowerPoint, this app can help you add something unique to your slides in the form of colorful, customizable icons.

3. IconDrop

IconDrop is offered as an open source tool, and available on Github, although this is just a strategy to then offer to upgrade if you want to get access to the full collection. By default, when you install this app, you can get access to some free icons and then you will be tempted to upgrade to a paid plan.

A Sketch Plugin & Adobe CC Extension (Photoshop & Illustrator) to Enhance your designs with high-quality icons from Iconscout. https://iconscout.com/icondrop.

Example of Icons from IconDrop

Icon drop provides more rudimentary icons which can be used for creating slides with a few basic icons incorporated to add some visual appeal to your slides. It can also be quite helpful for designers who might want to design their slide content in Adobe powered applications like Adobe PhotoShop or Illustrator.

4. SlideModel

SlideModel is another great resource where you can download icon sets for your presentations. Moreover, the resource allows you to download thousands of presentation templates, most of them using PowerPoint icons.

By subscribing to SlideModel you can get access to a huge catalog of presentation templates and slide designs including a complete collection of PowerPoint icons . Once you download the icon sets, you can use Copy & Paste to insert the icons into your own presentations.

Example of PowerPoint icons by SlideModel

The methods mentioned above can help you add various self-explanatory icons to your presentation slides to help you create slides that can use the universal language of images. This helps to speed up the presentation design process by enabling the presentation designer to decorate the slides with awesome icons. You can use the PowerPoint icons to enhance your presentations in a variety of ways. For example, while creating PowerPoint diagrams, visual appealing dashboards, infographics with icons, or even as an alternative to traditional bullet points where you can use bullet points with custom icons .

We found the icons at SlideModel to be reasonably practical and convenient to use. They are easy to copy around slides and remove the hassle of using third-party apps requiring additional system resources.

Conference Call Immunocore will host an investor and analyst event and webcasted conference call on Friday 31 May 2024 at 6:15 p.m. CT with Dr. Diwakar Davar. The webcast will be available under ‘News & Events’ in the Investor Relations section of Immunocore Holdings’ website at www.immunocore.com.

About ImmTAC ® molecules for cancer

Immunocore’s proprietary T cell receptor (TCR) technology generates a novel class of bispecific biologics called ImmTAC (Immune mobilizing monoclonal TCRs Against Cancer) molecules that are designed to redirect the immune system to recognize and kill cancerous cells. ImmTAC molecules are soluble TCRs engineered to recognize intracellular cancer antigens with ultra-high affinity and selectively kill these cancer cells via an anti-CD3 immune-activating effector function. Based on the demonstrated mechanism of T cell infiltration into human tumors, the ImmTAC mechanism of action holds the potential to treat hematologic and solid tumors, regardless of mutational burden or immune infiltration, including immune “cold” low mutation rate tumors.

About KIMMTRAK

KIMMTRAK is a novel bispecific protein comprised of a soluble T cell receptor fused to an anti-CD3 immune-effector function. KIMMTRAK specifically targets gp100, a lineage antigen expressed in melanocytes and melanoma. This is the first molecule developed using Immunocore’s ImmTAC technology platform designed to redirect and activate T cells to recognize and kill tumor cells. KIMMTRAK has been approved for the treatment of HLA-A*02:01-positive adult patients with unresectable or metastatic uveal melanoma in the United States, European Union, Canada, Australia, and the United Kingdom.

About PRISM-MEL301 – Phase 3 trial with brenetafusp (IMC-F106C, PRAMExCD3) in 1L advanced cutaneous melanoma

The Phase 3 registrational trial will randomize patients with previously untreated, HLA-A*02:01-positive, advanced melanoma to IMC-F106C + nivolumab versus nivolumab or nivolumab + relatlimab, depending on the country where the patient is enrolled. The study will initially randomize to three arms: two IMC-F106C dose regimens (40 mcg and 160 mcg) and control arm and will discontinue one of the IMC-F106C dose regimens after an initial review of the first 60 patients randomized to the two experimental arms (90 patients randomized total). The primary endpoint of the trial is progression free survival (PFS) by blinded independent central review (BICR), with secondary endpoints of overall survival (OS) and overall response rate (ORR).

About the IMC-F106C-101 Phase 1/2 trial

IMC-F106C-101 is a first-in-human, Phase 1/2 dose escalation trial in patients with multiple solid tumor cancers including non-small cell lung cancer (NSCLC), small-cell lung cancer (SCLC), endometrial, ovarian, cutaneous melanoma, and breast cancers. The Phase 1 dose escalation trial was designed to determine the maximum tolerated dose (MTD), as well as to evaluate the safety, preliminary anti-tumor activity and pharmacokinetics of brenetafusp (IMC-F106C), a bispecific protein built on Immunocore’s ImmTAC technology, and the Company’s first molecule to target the PRAME antigen. The Company has initiated patient enrollment into four expansion arms in cutaneous melanoma, ovarian, NSCLC, and endometrial carcinomas. The IMC-F106C-101 trial is adaptive and includes the option for Phase 2 expansion, allowing for approximately 100 patients treated per tumor type in the Phase 1 and 2 expansion arms. Dose escalation continues in additional solid tumors as well as plans for combination arms with standards-of-care, including checkpoint inhibitors, chemotherapy, and tebentafusp.

About Immunocore

Immunocore is a commercial-stage biotechnology company pioneering the development of a novel class of TCR bispecific immunotherapies called ImmTAX – Immune mobilizing monoclonal TCRs Against X disease – designed to treat a broad range of diseases, including cancer, autoimmune, and infectious disease. Leveraging its proprietary, flexible, off-the-shelf ImmTAX platform, Immunocore is developing a deep pipeline in multiple therapeutic areas, including five clinical stage programs in oncology and infectious disease, advanced pre-clinical programs in autoimmune disease and multiple earlier pre-clinical programs. The Company’s most advanced oncology TCR therapeutic, KIMMTRAK has been approved for the treatment of HLA-A*02:01-positive adult patients with unresectable or metastatic uveal melanoma in the United States, European Union, Canada, Australia, and the United Kingdom.

Leaked presentation reveals Microsoft's astounding plan to ramp up data-center capacity for the AI boom

  • Microsoft's data-center capacity jumped in recent quarters, a leaked internal presentation shows.
  • The company is planning even faster data-center growth in the coming quarters.
  • Microsoft delivered "record-level GPU capacity," according to the presentation.

Microsoft significantly expanded its data-center capacity recently and plans to ramp up growth to astounding levels going forward, according to an internal document obtained by Business Insider.

Since July 2023, the start of Microsoft's latest fiscal year, the company delivered more than 500 megawatts of new data-center capacity , the document disclosed.

This document was part of a confidential slide deck from the company's Cloud Operations and Innovation team that was presented earlier this year.

Under the heading "Commercial Cloud and AI Demands: Fueling our Expansion," the document said Microsoft surpassed 5 gigawatts of total data-center installed capacity in the first half of its latest fiscal year.

The rise of generative artificial intelligence and huge foundation models is fueling a new data-center boom . Microsoft is leading the way through its partnership with OpenAI , the startup behind ChatGPT and GPT-4 .

These AI models need to be trained on mountains of data and then fine-tuned intensely. That takes thousands of GPUs and a pile of other related gear that's housed in huge data centers. These facilities use so much power that their capacity is measured in megawatts and gigawatts of electricity.

Shaolei Ren , an electrical and computer engineering professor at the University of California, Riverside, said Microsoft's 5 gigawatts of installed data-center capacity, if fully used, would be equivalent to Hong Kong or Portugal's annual electricity consumption.

"Astonishing speed"

It doesn't stop there. The software giant laid out even more radical growth plans for its data-center empire in the document obtained by BI.

"With a strong Commercial Cloud business, our goal is clear," Microsoft said in this part of the slide presentation.

Microsoft wants to double new data-center capacity in the second half of its fiscal year. This runs from early 2024 to the middle of this year.

In the first half of Microsoft's 2025 fiscal year, which runs from early July through the end of 2024, the company aims to "achieve 3x growth" in new data-center capacity.

This requires Microsoft to deliver more than 200 megawatts in data-center capacity every month.

"This is an astonishing speed," Ren told BI. "This is a very large data-center capacity."

Ren said Microsoft's capacity plans suggested the company was either seeing huge demand or simply wanting to stay competitive by securing future power capacity that otherwise might be taken by competitors.

He added that this also raised questions about the environmental consequences of adding such a large data-center footprint, given the carbon emissions and water consumption of the facilities.

A Microsoft spokesperson declined to comment.

'Record-level GPU capacity'

The company is also securing a record number of GPUs to handle new AI workloads in data centers.

In the second half of last year, Microsoft delivered "record-level GPU capacity," more than doubling its total installed GPU base, the document said, without mentioning actual numbers.

Microsoft's GPU footprint expanded into 39 additional data centers in this period, and the company now has "AI clusters" live in 98 locations globally.
