Presentation Instructions

Lecture presentations.

Regular lecture presentations will be 12 minutes + 3 minutes Q&A, and invited lecture presentations will be 25 minutes + 5 minutes Q&A.

For on-site presentations, you must upload your slides in the speaker-ready room (Frau) at least 3 hours prior to your scheduled presentation (see section “Preparation of Visuals” below). For those presenting in the first session of the morning, you will need to bring your presentations between 15:00 and 18:00 of the day BEFORE.

  • The version in use for presentations is Microsoft PowerPoint for Windows.
  • Any file (film, video or image) should be embedded inside the presentation. Bring a copy with you of the original files to have the possibility to check the compatibility of them with the technician.
  • Power Point presentations should be saved as “.ppt”, “.pptx” or “.pps”, “.ppsx” – file and movies might be separate files on the data media (if not embedded).
  • If non-standard fonts are used (not included in the operating system Windows 10), please bring with you the files for their installation together with the presentation and hand them in to the slide center, informing the technician in due time (at least 3 hours before your contribution).
  • Videos included in the presentation should be in the following formats: .avi, .wmv, .mpeg.
  • We suggest the .avi format for your video, compressing it with the following codecs: DivX, Xvid.
  • Projection size is 16:9– resolution 1920×1080
  • For slides with different format (e.g. 4:3) two black stripes will be projected on the screen. To avoid this, we suggest to choose on “page layout” – presentation in 16:9 – when you create your presentation.
  • The use of private laptop/computer is not allowed.
  • Information for speakers using Macintosh systems and Keynote-format presentations: You will need to export your presentation in Windows formats (such as those indicated above)

On-site speakers and Chairs should arrive in their session room 10 minutes BEFORE the start of their session. Virtual speakers must join the Zoom link at least 10 minutes BEFORE the session start time.

All presenters will be required to submit a pre-recorded video, whether attending virtually or in person. For virtual presenters, we still do expect you to present live via Zoom. We will request that you share your slides and webcam at your designated presentation time.

In case of technical issues preventing live-streaming of in person or virtual presentations which cannot be resolved quickly, the pre-recorded video will be broadcast instead. Virtual speakers should still attempt to connect via Zoom for the live Q&A.

Poster Presentations

The required size for printed posters is A0 (portrait), which is 84.1 cm in width X 118.9 cm in height.

If you are attending the conference in person, you must print your poster out and bring it with you. We will provide materials to hang your poster in the poster hall. Each poster board onsite will be marked with a number that directly correlates with each poster in the PDF program. Please place your poster on the assigned board. A 3 to 5-minute pre-recorded video describing the poster must also be submitted by September 12 so that your presentation will be easily available to people attending the conference virtually. It will be possible for all attendees to reach out via the platform for times to meet and discuss the work together.

Posters will be hung for just the date of their presentation (except for student poster finalists) – please hang them up by 9:00 AM. You must remove your poster at the end of your assigned date by 6:00 PM or it may be discarded. Poster presenters with an ODD paper number (ex: 9 in Th5. 9 ) should plan to be at their poster from 10:00 AM – 11:00 AM and poster presenters with an EVEN poster number (ex: 8 in Th5. 8 ) should plan to be at their poster from 3:30 PM – 4:30 PM on their presentation date. *Student poster finalists should plan to attend both poster sessions on Tuesday. 

If you are attending the conference virtually, we will print your poster and hang it on your behalf. You must submit the PDF poster via the submission form by September 12 (for onsite and virtual presenters), as well as your 3 to 5-minute pre-recorded video describing your poster. QR codes will be added to the poster boards so that in person attendees can visit the pre-recorded videos for virtual posters, post questions, and reach out to the presenter to set up a further discussion.

Oral presentation Instructions

Presenters are required to present their paper as a live, online Zoom presentation, followed by Q&A during their scheduled timeslot. Live presentation of Oral papers is a requirement for publication in IEEE Xplore. Time slots for Oral papers will be 15-minutes total, consisting of a 10-minute live presentation and a 5-minute Q&A.

Presentation duration : 10 minutes + 5 minute Q&A

Presentations should be clearly structured and should contain the essential elements of the accepted formal paper.  Please include such content as the problem, the background, the innovative approach, the new results, and any comparative evaluation that the author wishes to present.  The presenter should prepare a reasonable number of PowerPoint slides, so as not to exceed the time limit. Typically, 1 slide is presented in 1 minute. Slides should not be overcrowded by text and graphics. Too much text should be avoided. Slides should support the presentation, they should not simply be read by the presenter. Graphics help in communication, are more understandable and point out the basic ideas. Use large fonts so as they are readable without efforts; typically, 20 point fonts should be used.

Please fill out the presenter biography within your EDAS account. This will help the session chair introduce you during the session.

Publishing your paper

All accepted papers are expected to be presented. If the primary author or co-author(s) are not able to attend due to extenuating circumstances, a substitute presenter should be found.

If authors like to post their papers electronically on any web site, any ftp site, or any other electronic dissemination technique, they must include the IEEE Copyright notice on the initial screen displaying the IEEE-copyrighted material. Additional information is available  here .

ANY PAPER NOT PRESENTED AT IST 2021 WILL NOT BE INCLUDED IN THE OFFICIAL PROCEEDINGS PUBLISHED IN IEEE XPLORE.

Well constructed visuals can make your presentation more exciting, effective and memorable. However, in order for the visuals to accomplish this, it is critical that they be properly planned and prepared or they can become a liability rather than an asset. The guidelines on these pages are designed to help you make the most of your visual presentation.

General Guidelines

  • Keep it simple. It is easier for the audience if you use three simple visuals than a single complex one.
  • Keep your audience in mind when designing your visual aids. What terminology will they understand? What examples have meaning for them?
  • Proofread very carefully. Try to have someone else proof in addition to yourself. It is hard to overlook errors when they are magnified in front of an audience. Remember, even a small error in such a focal part of your program can undermine the credibility of your entire presentation.
  • Fonts should be clear and easy to read. Use Helvetica or similar sans serif fonts. Decorative fonts are not recommended. Use only one typeface per visual. Add variety by using different sizes and bolding title lines.
  • Colored fonts should have a dark background (dark blue is best) with primary titles in either yellow or white and secondary titles in the remaining color. Details should be shown in clear bright, light contrasting colors. Use no more than three colors per visual.
  • Avoid using shades of the background color for titles or details.
  • Avoid commercial endorsements. A photograph of apparatus which incidentally includes a trade name is allowed, but a table comparing attributes of identified vendor’s products will not be allowed. There is much gray area in between these two examples; discuss any concerns you may have with your session chair. The display of the logo of the company with which you are associated is restricted for use to the first and last PowerPoint slides or visuals (usually the title slide). This restriction applies to logos of educational institutions as well.
  • Test your presentation ahead of time. Make sure it is easy to read from an appropriate distance, and that everything is in the proper order.

Graphs, Charts and Diagrams

Tabular charts.

Tabular charts are used to show raw data and numerical relationships. Use only a few key examples on the visual to illustrate your point. Bar Graphs

Bar graphs are used to show absolute data or relationships and comparisons. Be sure to include scales and values. Be sure the type is legible. Pie Charts

Pie charts are good for illustrating percentage relationships or parts of a whole. No more than eight segments are recommended. Line Graphs

Line graphs are ideal for illustrating trends or performance over time. Your scale should include significant dates and milestones. Graphs should include no more than three lines. In black and white visuals, the lines should be distinctly different, e.g., dashed, solid, dots, etc. In color visuals, the lines should be easily differentiated colors which contrast well with the background. Block or Process Diagrams

Block or process diagrams are good for illustrating structural relationships and designs. Graphics of this type show how each piece contributes to the whole. Avoid overcrowding. Limit your chart to no more than 10 simple geometric shapes and titles connected by lines and arrows. One-Line Diagrams

IST 2021 papers often contain electrical one-line diagrams which are an integral part of a technical discussion. You should limit applying these to needed segments of a system to make them legible to the audience. Photographs

Good quality photographic visuals can make a major contribution to your presentation. Be extra careful with photographs: they must be very crisp and clear, with high contrast between light and dark areas. Do not superimpose text over the image. If text is needed on the visual, it should be placed in areas that have been cleared of the image. Be sure to test your photos, projecting them to the size they will be when used to ensure that they are clear and easily recognizable.

Text Pointers

The text (or word) portion of presentations is used to state facts or objectives. When lines of text alone do not illustrate your point, a chart, graph or graphic might be more appropriate.

  • Avoid using more than six or seven words (30–40 characters) per line, six or seven lines per visual. Make sure type is well spaced and not crowded.
  • Eliminate words that do not add meaning, for example: the, an, etc.
  • Avoid complete sentences. Use bulleted phrases.
  • Be consistent in grammatical construction of lists; for example, use all verbs or use all noun phrases.
  • Use 36 point type for all titles, and for the text of visual aids to be used in very large rooms.
  • Use at least 18 point type for the main text in other than the largest rooms.
  • Use bullets at beginning of lines to separate ideas.
  • Use functions in PowerPoint that allow you to build information, bullet by bullet, on a slide, to keep the audience from reading ahead.

Title Pages

Use title pages to introduce new topics or add special emphasis to a very important point. The best titles are a few simple lines in large type.

Instructions for Symposium and Workshop Presenters

Presentation style.

The GLOBECOM 2023 Technical Program Committee went through a rigorous process to review all the papers submitted and select the best ones among them. Less than 40% of papers submitted to Technical Symposia and Workshops have been accepted for presentation.

The accepted papers will be presented in the conference either in a lecture-style or in an interactive-style format. This distinction has no relationship with the quality of the accepted papers whatsoever. It is purely due to the limitations of the conference rooms available for lecture-style presentations and to ensure topic homogeneity in lecture-style sessions. That is, papers have been selected for lecture-style or interactive-style presentation, solely based on the need to ensure topic homogeneity in lecture-style sessions.

All accepted and presented papers will be published in the Conference Proceedings and IEEE Xplore without any indication of the presentation mode. 

SYMPOSIUM LECTURE SESSIONS

Lecture-style presentations for the IEEE GLOBECOM 2023 Symposia will be held in theatre-style meeting rooms and have been allocated 18 minutes each (15 minutes of effective presentation time, plus 3 minutes for Q&A and change of speaker).

Lecture Sessions are denoted in the Technical Program with the Symposium acronym followed by a sequence number (e.g., CISS 1, CISS 2, etc.)

Presenters are expected to prepare their slide deck meticulously. Presentations should convey main contents in a concise, clear and precise manner, providing an overview of the key principles, facts, and results. More detailed discussions can continue with session attendees during the breaks.

To ensure a seamless and smoothly running session, please follow carefully the following instructions:

  • Recognize the location and time of your session in advance. Obtain the necessary directions to the meeting room where your session will take place.
  • Arrive to the room 15 minutes before the start of the session and introduce yourself to the session chair.
  • A laptop, projector, and screen will be available in the session room, with the latest version of Microsoft PowerPoint and Office, and Acrobat Reader. A clicker/pointer is also available for the presenters.
  • Prepare your presentation in MS PowerPoint or Adobe PDF format and save it on a USB drive. Bring the USB drive to your session and upload the presentation onto the laptop in the session room at least 10 minutes before the start time of your session. Alternatively, you may also upload it earlier during the coffee/lunch breaks on any of the days preceding your presentation. A volunteer will be present to assist you as needed. Check that your presentation file has been successfully uploaded without errors and it works with the software installed on the laptop.

To avoid any compatibility problems with your slide deck, please follow carefully the following instructions:

  • Prepare your presentation in MS PPT/PPTX or Adobe PDF format.
  • Kindly note that we are unable to offer assistance for embedded videos within your presentation. We recommend you to test your presentation on the on-site laptop in advance, to verify that it works as you expect.
  • Only fonts that are included in the basic installation of MS-Windows will be available. Using other fonts not included in Windows may result in an incorrect layout or style of your presentation.

SYMPOSIUM INTERACTIVE SESSIONS

Interactive Sessions for the IEEE GLOBECOM 2023 Symposia are scheduled in 45-minute time slots, in which up to 21 presentations are given by Authors in parallel on LED TV screens (50 inches, horizontal orientation, HDMI interface) in the open space (Grand Ballroom level 3).

During interactive sessions, presenters can interact freely with session attendees (free flow). The Interactive Session offers a novel way to engage with the audience. Attendees will walk around from one presenter to another during the session, so that they too can optimize their time spent at the session.

In Interactive Sessions, you are required to show your slides on your own laptop connected to the LED screen (HDMI).

Interactive Sessions are denoted in the Technical Program with IS followed by a sequence number (e.g., IS 1, IS 2, etc.). Each Interactive Session is further divided into subsessions, denoted by the Symposium acronym followed by a sequence number preceded by "_I" (e.g., CISS_I1, CISS_I2, etc.)

Presenters should:

  • arrive at the Interactive Sessions area (located at the Grand Ballroom level 3) no later than 15 minutes before the start of the session;
  • bring his/her laptop with the final presentation already pre-loaded.

A volunteer will indicate which LED screen is allocated to each presentation.

During the refreshment breaks, the screens will be freely available to check your presentation, if needed.

Please make sure the following information is ALWAYS visible on your screen during the Interactive Sessions, so that attendees can easily identify the papers being presented, regardless of the slide you are showing:

  • Paper title
  • List of authors with affiliations

WORKSHOP PRESENTATIONS

Workshop presenters are required to adhere to the same guidelines provided for lecture-style presentations in the IEEE GLOBECOM 2023 Symposia.

It's important to note that workshop presentations may have various timing requirements. As such, presenters should contact the appropriate workshop organizers for guidance and clarification if further explanation is needed.

GHTC 2023 is an on-site event , with accommodation for remote presentations.

New Format for 2023: Author paper presentations are scheduled for 8 minutes plus extended discussions after for Q&A with all authors. See the Program concept here .

Duration for each category of oral presentation are listed below:

  • Regular (author) Talks are scheduled for 8 minutes plus extended Q&A. This includes Oral, Short and Full papers. See the Program concept here .  Presentations will be cut off at 8 minutes.
  • Plenary speakers and Panelists: talks are 20 minutes plus Q&A for all authors . The conference committee will provide instructions for you regarding submitting your presentation.

Instruction for REMOTE Presentations

Remote/virtual presentations will need to be pre-recorded by the presenter and uploaded to a designated repository by September 30th . See instructions below.

The conference itself will run 2 1/2 days from 8am-6pm ET in two parallel on-site sessions chaired with live presentations and Q&A. Remote presentations will be accommodated in existing presentation tracks, allowing everyone to interact. Recordings MUST be no longer than 8 minutes.

  • Remote Regular (author) presentations are scheduled for 8 minutes plus extended  discussions after with all authors for Q&A. This includes Oral, Short and Full papers. See the Program concept. Upload deadline is September 30th.

Authors Guidelines for Preparing Recording | DEADLINE: September 30th, 2023

Authors please use the following guidelines for preparing your video for uploading using Zoom MP4. NOTE: Zoom generated MP4 are compact; PPT MP4s are very large. Please make sure to test your recorded presentation for visual and audio clarity, time limits, and functionality before uploading.

PPT Export Video

Alternately, you can use Voice-over-PowerPoint (available in PowerPoint 2016 & 2019) and create a PPTSX file. Then Export to MP4. Note the generated MP4 by PPT Save-As is typically quite large and will likely need to be compressed to meet the size limit of 100MB for author uploads. Be sure to verify that the audio is included as there have been problems with PPT recordings. See the Microsoft support article here .

Please check the recording for quality and understandability, and for timing , as it needs to fit into the specified duration. We recommend using a headset so you won’t get laptop fan noise etc. in the recording.

Presenters, please be aware, and remain within, your allocated presentation length. The allocated time for Oral Presentations is 20 minutes including 15 minutes for presentation and 5 minutes for questions. Powerpoint or similar presentations should be brought to the conference on a USB and be PC compatible. Your presentation should be loaded onto the lectern computer and tested prior to your session (during the registration time, coffee breaks or lunch time) so that they run smoothly without any delays. Student volunteers will be available in each session room to assist with loading your presentations onto the lectern computer. All session rooms will be equipped with an LCD/projector screens and a computer with Microsoft PowerPoint and Adobe PDF reader.Please arrive at the session room at least 10 minutes before the start of the session and introduce yourself to the Session Chair and room assistant.You are required to handover a clearly written short biography to Session Chairs to introduce you to the audience. In your biography please limit content to academic titles and graduation dates, institute(s), job functions and research interests. The purpose of the biography is to allow the Session Chair to briefly introduce you to the audience and should be less than 100 words.       

POSTER PRESENTER GUIDELINES

Poster presentation is intended for rapid communication. As such, keep the text to minimum, emphasize on images and graphs. Determine the key points of your paper and design the poster to reflect them. A visual flow based design (for example, use of arrows or block diagrams) is recommended.Each poster will be displayed on a free standing panel kit that has a usable space of approximately 120 cm wide × 230 cm high, in portrait orientation. We recommend to use an A0 paper in the portrait orientation to prepare your poster. Nevertheless, you are free to use other paper sizes as well that suit your poster. In selecting a paper size please make sure that your poster leaves some margin from the sides of the usable space. The poster should be clearly visible 1.5m away from the panel and you must select the font sizes accordingly. We recommend you to prepare for a 5 minute description of your work, which can be repeatedly used for various attendees.Your presentation space will be identified by a card with your paper ID number on it. Please display your poster in the break prior to your Session, all posters must be removed at the end of your Poster Session.       

PAPER PREPARATION GUIDELINES

STEP1- Paper preparation format 

The full paper should be in the double column strickly in IEEE format in either US letter or A4 size papers with the specific measures given in the following diagram.The IEEE Conference Proceedings templates (MS Word or LATEX) available at http://www.ieee.org/conferences_events/conferences/publishing/templates.html are designed with these measures and thus we encourage you to build your full paper on these templates. Maximum length of the full paper, including figures and references, is SIX (6) pages. Up to TWO (2) extra pages are permissible with an additional fee which can be paid during the registration.

Creating your PDF eXpress account The IEEE SPEC 2022 full paper submission site accepts only PDF files which should be IEEE Xplore compliant. If your file does not meet IEEE Xplore compliance, it cannot be published and will be removed from the IEEE SPEC 2022 Proceedings and the IEEE Xplore system. Therefore, if you have prepared you full paper using Microsoft Word you have to convert it into the PDF format using the IEEE PDF eXpress system which is available at: www.pdf-express.org. If you have used LaTeX or other software and the PDF version of your full paper is readily available you have to check its compliance using the same IEEE PDF eXpress system. If you are a first-time user of the IEEE PDF eXpress system you have to create a new account. In order to create a new account1. Go to http://www.pdf-express.org/2. Select the ‘New Users – Click Here’ link3. Enter the following: 55080X for the Conference ID, your email address, and a password4. Continue to enter information as prompted. An Online confirmation will be displayed and an email confirmation will be sent verifying your account setup.If you have used the PDF eXpress or IEEE PDF eXpress Plus services before, you can use the same account with the same email address and password. But you have to enter the above conference ID to create an account specific to SPEC 16 conference. Verify that your contact information is valid.Once you logged in to the IEEE PDF eXpress site, upload your file, convert it, and check the status of conversion. When the conversion is complete, a report will be generated for the file conversion. Check whether conversion was successful, or some changes are needed.

NOTE : checking your PDF file for compliance and submitting your final paper for publication are two separate procedures.

STEP 3 – Registration  

Please register your paper(s) by visiting Conference Registration. Please include your submission ID(s) correctly during the registration process. You must register your paper(s) before October 20, 2022.

Submission of your final paper and IEEE Copyright form. After registering your papers Log in to the Paper Submission System and Submit your Final Paper(s). Uploading a scanned copy of the duly filled and signed IEEE Copyright form is part of the final paper submission process. Please follow the instructions given below to submit the IEEE Copyright Form.

1. Download the IEEE Electronic Copyright Form PDF or Word and fill it with the following information.Title of your paper Complete list of authors IEEE PUBLICATION TITLE: IEEE Southern Power Electronics Conference 2022 (SPEC 2022)

2. You must fill a separate copyright form for each paper that you submit through the paper submission system.

3. You must include the details of all the authors in the copyright form

4. The signed copyright forms must be submitted by the October 20, 2022 through Paper Submission System. (Name the file as “IEEE Copyright -Submission ID”)

About the Conference

The 7th IEEE Conference on Energy Internet and Energy System Integration ( EI 2 2023) focuses on many innovative technologies and practical applications regarding “Energy Internet” and “Energy System Integration” ( EI 2 in abbreviation). EI 2 couples multiple energy systems, e.g. electricity, gas, heating, cooling and transportation, with energy storage and ICT technologies, including cloud computation, big data analytics, internet of things (IoT), mobile internet, artificial intelligence (AI) and 5G communication applications, to promote the interconnection, openness, sharing and coordination of various energy resources and shape a green, low-carbon, efficient, low-cost and environment-friendly energy ecosystem.

The 7th EI 2 conference will be held in Hangzhou, China from Dec. 15 to 18, 2023. This conference is co-sponsored by IEEE Power & Energy Society, Chinese Society For Electrical Engineering(CSEE), Zhejiang University (China), Tsinghua University-Dept. of Electrical Engineering, Hainan Institute of Zhejiang University, Taiyuan University of Technology, Tsinghua University-Energy Internet Research Institute, and Tsinghua University Shenzhen International Graduate School.

The conference will set various awards, such as the Best Paper Award and the Energy Internet Best Practice Award. The conference papers will be published by the IEEEXplore website and indexed by EI, and high-quality papers will be recommended to Energy Conversion and Economics, Energy Internet, Journal of Modern Power Systems and Clean Energy (MPCE), CSEE Journal of Power and Energy Systems (CSEE JPES), Applied Energy, and others.
