We surveyed the Orai community to vote for their preferred visual aid. Here are the top ten creative visual aid ideas that you could use in your next presentation:

Videos emerged as the clear winner in all our surveys. We ran these surveys on all our social handles and contacted successful speakers. 27.14% of all respondents prefer visual aids because they are easy to understand, can be paused during a presentation, and can trigger all sorts of emotions. That being said, it is also very tough to create good videos. However, more and more tools are available to help you create amazing videos without professional help.

2. Demonstrations

Demonstrations, also known as demos, are undoubtedly among the most effective visual aids for communication. You can use demonstrations in two ways. One as a hook to captivate your audience. Prof. Walter Lewin was famous for using demonstrations as a hook during lectures. In his most famous lecture, he puts his life in danger by releasing a heavy pendulum to show that a pendulum’s period remains constant despite the mass. 

Demonstrations can also be used to show how some things are done or work. We use demonstrations to showcase how Orai works and how you can use them to improve your speaking skills.

18.57% voted for demonstrations because they are unique, interactive, up close, and have a personal touch.

3. Roleplays

Jokes aside, why do you think comedy shows are memorable? You guessed it right. Roleplays! Role – play is any speaking activity when you put yourself into somebody else’s shoes or stay in your shoes but put yourself into an imaginary situation! 

Nothing is more boring than a comedian delivering lines straight from a joke book.  Legendary comedians like George Carlin, Kevin Hart, Chris Rock, and Bill Burr use roleplays effectively and make a mundane joke genuinely memorable. 

Jokes aside, you can use roleplays in business presentations and speeches. Use real-life stories or examples in your role plays to make them authentic. 

15.71% of the survey respondents voted for roleplays because they are very close to real life and do not take the audience’s attention away from the speaker.

People voted for props because they feel 3D visualization is more useful than 2D visualization. Props will make your presentations stand out because few people use them today.

When we sent out the survey to the Orai community and some highly successful speakers, we were sure that slides/presentations would come out on top. However, we were surprised by the results. With 12.86% votes, slides are number five on our list.

Presentations are effortless to create and, therefore, the most commonly used visual aid in business communications. Today, dozens of software programs are available to help you make beautiful presentations. Microsoft PowerPoint is the pioneer in the space and holds a significant market share.

Whatever is your preferred software, you need to keep your audience at the center while making presentations.

People described the ease of creation and the ability to incorporate other visual aids when asked why they chose presentations as their top visual aid.

The inclusion of Audio in this list can appear controversial. But it got a significant vote share in our survey and cannot be ignored. Audio can add a new dimension to your presentations where the audience is hearing your voice and other sound cues that can trigger various emotional responses. Especially when coupled with other visual aids, audio can be a powerful tool for making impactful presentations.

Visual aids can enhance your presentations – they can increase the audience’s understanding of your topic, explain points, make an impact and create enthusiasm. It has become more important to make information visual:

“Something is happening. We are becoming a visually mediated society. For many, understanding of the world is being accomplished, not through words, but by reading images” – ( Lester, 2006 )

In this article, we discuss how to use visual aids for presentations or training sessions.

What are visual aids?

Visual aids are items of a visual manner, such as graphs, photographs, video clips etc used in addition to spoken information. Visual aids are chosen depending on their purpose, for example, you may want to:

  • Summarise information.
  • Reduce the amount of spoken words, for example, you may show a graph of your results rather than reading them out.
  • Clarify and show examples.
  • Create more of an impact, for example, if your presentation is on the health risks of smoking, you may show images of the effects of smoking on the body rather than describing this. You must consider what type of impact you want to make beforehand – do you want the audience to be sad, happy, angry etc?
  • Emphasise what you’re saying.
  • Make a point memorable.
  • Enhance your credibility .
  • Engage the audience and maintain their interest.
  • Make something easier for the audience to understand.

Once you have decided that you want to use a visual aid, you must ensure that the audience is able to quickly understand the image – it must be clear. They can be used throughout your speech but try to only use visual aids for essential points as it can be tiring for the audience to skip from one visual to another.

Preparation

  • Think about how can a visual aid can support your message. What do you want the audience to do?
  • Ensure that your visual aid follows what you’re saying or this will confuse the audience.
  • Avoid cluttering the image as it may look messy and unclear.
  • Visual aids must be clear, concise and of a high quality.
  • Keep the style consistent, such as, the same font, colours, positions etc
  • Use graphs and charts to present data.
  • The audience should not be trying to read and listen at the same time – use visual aids to highlight your points.
  • One message per visual aid, for example, on a slide there should only be one key point.
  • Use visual aids in moderation – they are additions meant to emphasise and support main points.
  • Ensure that your presentation still works without your visual aids in case of technical problems.
  • Practice using the visual aids in advance and ask friends and colleagues for feedback. Ask them whether they can clearly see the visual aid and how they interpret it.

During the presentation

  • Ensure that the visual aids can be seen by everyone in the audience.
  • Face the audience most of the time rather than the image.
  • Avoid reading from the visual aid.
  • As soon as you show the visual aid the audience’s attention will be drawn to it so you must immediately explain it. You will be ignored if you talk about something else.
  • Make it clear to the audience why you are using it.
  • When you no longer need the visual aid ensure that the audience can’t see it.

Tailor to your audience

Choose your visual aids tactically so you appeal to your audience. This means finding images your audience can relate to, images they will find familiar and images they will like. Also think about what style of visual aid is suitable for the audience; is it quite a serious presentation? Can you be humorous? Is it more formal or informal?

Types of visual aids

There are a variety of different types of visual aids, you must decide which will suit your presentation and your audience.

Microsoft PowerPoint is widely used for presentations because it’s easy to create attractive and professional presentations and it’s simple to modify and reorganise content compared to other visual aids. You can  insert a range of visual items  into the slides which will improve the audience’s focus. Also, the audience can generally see slideshows better than other visual aids and you don’t have to face away from them. However, your presentation can look unprofessional if this software is used poorly.

  • Have a clear and simple background.
  • Avoid using too many different types of fonts or font sizes.
  • Only use animations for a purpose, such as, to reveal the stages of a process, otherwise this can be distracting and look amateurish.
  • Use a large font size – a minimum of 24pt.
  • Use bullet points to summarise key points.
  • Consider providing handouts of diagrams because the audience will find the diagrams easier to read.
  • Avoid putting too much text on a slide.
  • Avoid using red or green text as it’s difficult to read.
  • There should only be one key point for each slide.
  • Always have a back-up plan in case there is a technical issue and you cannot show the visuals on the day, for example, bring handouts or a poster.

Whiteboards

Whiteboards are great for providing further explanations, such as, showing the order of a process, creating diagrams or explaining complex words or phrases. They’re often used to display headings and write down audience suggestions. Whiteboards are also ideal for displaying important information for the entire duration of the presentation, such as, key definitions, because the audience can just glance at the whiteboard for a reminder.

  • Ensure that enough time has passed for the audience to take notes before rubbing something off of the whiteboard.
  • Write concisely to avoid facing away from the audience for too long.
  • Handwriting must be large and legible.
  • Practice beforehand as you may feel nervous about writing in front of an audience at the time.

Handouts are papers that contain key information from your presentation or they may provide further information. They prevent you from overwhelming the audience as there will be less information on the slides and therefore less information they need to write down.

You must consider when you want to give the audience the handouts:

  • If given at the beginning and middle of your presentation the audience may be reading rather than listening to you or they might not pay attention to what you’re saying as they already have the information.
  • If given at the end of your presentation the audience may be trying to take lots of notes which may reduce the amount of information they are actually understanding.

To manage this, provide the audience with partially completed handouts so they will have to listen to what you’re saying to be able to fill in the gaps. Providing the audience with graphs and charts beforehand is also beneficial because the audience will find them easier to read than, for example, from a slide.

Using videos are a great wait to  engage the audience  and increase their interest. Use video to bring motion, images and audio into your presentation.

  • Ensure that any videos used are relevant to the presentation’s content.
  • Only show as much of the video as necessary.
  • Never show a really long clip.
  • Videos can be difficult to fit into the structure of a presentation so ensure that you tell that audience why you’re showing them a clip and tell them what to look for.
  • Inform the audience how long the video will last.

Flip charts offer a low cost and low tech solution to record and convey information as you speak. They’re more beneficial for smaller audiences and they are favoured for brainstorming sessions as you can gather ideas easily. Flip charts are also widely used for summarising information and, like with a whiteboard, you can use them to show permanent background information.

  • Before your presentation, place the flip chart in a location that you can easily access.
  • Prepare any sheets you can in advance, even if you can only write down the headings.
  • Flip charts can be moved so you can avoid facing away from the audience – stand next to it and continue to face the audience.
  • Have only one main idea per sheet.
  • Write legibly, largely and in block capitals so it’s more visible.
  • Check with the audience that they can read the text – do not use a flipchart if there is a large audience.
  • Only write in black and blue ink. Red ink is good for circling or underlining.

Make sure that any content you plan on displaying is optimized for the platform you’ll be using–whether it’s a laptop, projector, or something else–and test it out beforehand so you know what works best for the room setup and audience size.

We process information in a number of ways, most notably visually and audibly. If your visual aids do not properly match your speech of if they are used in an ineffective manner, this could be a detriment to your speech. Anything that distracts an audience from your message will result in your inability to deliver your message.

Visual aids comprise a wide variety of items, handouts, slides, moving pictures, posters, models, objects, and many others. All of these visual aids are meant to reinforce your main message. Moreover, they become vital when it is necessary to present information that can only be described in a visual format. To use an obvious example, if you are giving a speech to a company's board of directors on the plans for a new building, it would be essential to have a picture or some sort of visual aid to accompany your speech. Yes, it would be possible to give an audible only speech about the new building's plans, but it would be extremely ineffective to do so. There are occasions when a visual aid is a necessary component of your message.

When you are giving a speech, you ideally want the audience to pay complete attention to your voice and message. A visual aid is an invitation for them to pay attention to something else, if even for a moment. Therefore, this visual aid must reinforce your message. The following guidelines will help you decide when visual aids are helpful.

  • Relevancy. Ensure that the visual aids you use are relevant to your speech. This sounds obvious, but many speakers make the mistake of providing "additional information" handouts during a speech. This is one of the worst mistakes a speaker can make. Such handouts would be great to give out after a speech, but certainly not during it.
  • Appropriateness. Likewise, your visual aids should be appropriate to the occasion. You would not typically, for example, use charts and graphs to give an entertaining speech. If the aids are not appropriate, they will distract an audience.
  • Attractiveness. If you are not skilled at using the popular software products typically used to create charts and graphs, and other visual aids, it is best to hire someone who is. An unattractive visual aid will "speak" poorly of you and it will lessen the impact of your message delivery.
  • Visibility. Not everyone in the audience will have 20/20 vision, and not everyone in the back of the room will be able to see small text regardless of their visual ability. Your visual aids must be appropriately sized and legible.
  • Variation. If you are going to use a great many visual aids (and this is only recommended if you feel that it is vital to your message), you should try to incorporate different types of visual aids. Do not use graphs exclusively, for example. This will bore the audience, and it will surely distract them.

Some Rules to Follow when Using Visual Aids

The following are some practices to use and some to avoid when using visual aids.

Good Practices

  • Do use color. Black and whites slides will look boring. Use color even if it is just for a heading for the slide.
  • Make sure the visual aid you are using is visible from at least 8 feet away. If it is legible from approximately that distance, it will be legible to an entire room when it is projected using visual equipment.
  • Consider using clip art. Virtually all computers have some free clip art available. Consider using some on your visual aids, especially if you pick a theme for the art and use a different image on each presentation.
  • Do not keep an image displayed for more than 10 minutes. All visual aids distract some attention from the speaker but this is acceptable since your aids help communicate your message. However, after 10 minutes, the audience will be bored looking at a stale image.
  • Do not use cartoons or other "cute" additions to your presentation unless it is appropriate for your audience. Want to learn more? Take an online course in Motivational and Public Speaking .
  • Do not experiment with different fonts throughout your presentation. Use a single font, but you may use it in different sizes to set off information that is more important . In addition, the use of bold lettering is effective.
  • Do not overuse colors, and make sure that the color is relevant to your message. You would not use a bright blue color, for example, for a slide that is delivering bad news to a company. Similarly, you should not use a wide variety of colors, as this will be distracting to an audience.

If you are presenting a speech in a foreign city, the last thing you want to do is transport your own audiovisual equipment. You naturally want the host to provide this equipment for you, and this is considered standard practice. Do not feel it is inappropriate to ask them to do this. When you do ask them, however, the request should be in writing. You want to ensure that you have proof that you have requested this equipment, and be sure to follow up with the host after you have made the request.

Since charts are the most popular type of visual aids used in most speeches, here are some guidelines for their effective use:

  • Do not use all capital letters, ever . Even when you want to emphasize a particular statistic or fact, use color or boldness to accomplish this goal.
  • Is the chart properly labeled? Do not assume that the audience will know little details that you take for granted.
  • Avoid emphasizing certain material with anything other than text; do not use any flashing elements in your aid, boxes, arrows, or any other distracting element.

Nearly all of us have heard a recording of our own voice at some point in our lives, and we are most often discouraged by what we hear. We think we sound differently, but, in fact, we are hearing our voices as others hear it. Just as practicing the delivery of a speech repeatedly will increase your ability to deliver an excellent speech; you can also practice voice techniques that will improve the overall quality of your voice. However, you should be cautioned that practicing in the wrong way could do more harm than good.

We will discuss pitch and rate in more detail later. Both of these characteristics comprise the overall quality of your voice, and they can both be altered with the proper training and practice.

How well you articulate words will determine the clarity of your speech. During the rehearsal portion of the speech process, it is a good idea to record your speech and play it back at least once so that you can hear how it will sound to an audience. Some things to notice regarding clarity and articulation are the following:

  • Contractions. Some people tend to slur contractions. Take note whether you are clearly pronouncing each element of the contraction. If, for example, you were slurring the contraction "wouldn't," use the two words instead, would not.
  • Reversed words. Some people mispronounce common words that sound alike by reversing the order of some letters. For example, pre scription versus per scription. Only the first spelling, and thus, the first pronunciation, is correct.
  • Omitted letters. Good articulation means pronouncing all letters in a word clearly. Do not omit letters. For example, pronounce the "t" in "mists" rather than speaking a word than sounds more like "miss."

Rate of Speech

Your rate of speech is a vital component of the overall quality of your voice. People who are nervous tend to speak more quickly than they normally would, so it is especially important to monitor your rate. When you listen to your rehearsal tape, count the number of words you speak in one minute. You should be speaking at the rate of approximately 150 words per minute. This is not a universal speed. There are times when a speaker may alter this rate slightly, depending on the circumstances. However, a rate of 150 words per minute is a comfortable speed for most informational and motivational speaking.

If you were to use the same pitch and inflection throughout an entire speech, you audience would fall asleep within 10 minutes. Nothing makes a speech more boring than a speaker who uses a monotone pitch and inflection. Pitch describes the level of deepness of your voice, regardless of your gender. A person might have a very high pitch if they are speaking excitedly or a low pitch if they are reading a dramatic reading slowly. Inflection is the varying degree of emphasis that you place on words during speech. For example, if a parent is giving a firm instruction to his or her child, they might say, "You will eat your vegetables." Here, the word will (in italics) will have a different inflection than the rest of the sentence. It is imperative that your speech uses the proper inflection when you wish to emphasize your main point. Let the audience know something is important by using the proper inflection.  

Just as it is important to alter the inflection of your voice when you wish to emphasize a thought, it is also important to pause appropriately between thoughts. You should never speak two sentences together back-to-back without a pause if the two sentences each convey an important point or thought. The pace and rhythm of your speech is determined by how fast you are moving from one thought to the next. You want to maintain a comfortable pace, which means always using pauses when appropriate.

Naturally, the volume of your voice is important, and it differs from its pitch. While pitch is used to describe how deep or high your voice is, volume describes how loud your voice is. Volume can easily be controlled and it is one of the most important elements of your voice that you need to control during a speech. If you wish to emphasize something, always remember to use a higher inflection rather than a higher volume. A high volume speaker will be interpreted as screaming to an audience, and that should be avoided whenever possible.

Chapter 8, Using Audiovisual Aids

Introduction

The often-quoted comment in public speaking is that a picture is worth a thousand words. If the picture is clear, can be seen by all, and relates to the message, the expression holds true. If not, you are better off using a thousand words. We have not forgotten a former student of ours who heard us talking about the value of the media, particularly the use of slides with an audiotape. For his demonstration, he decided to use four slide shows with four separate audio messages, all playing at the same time. Needless to say, his points got lost in the media presentation, and we certainly had a good example of noise pollution for the class to discuss. Unfortunately, that was not the purpose of his message. In this chapter we would like to talk about the ways in which you can enhance your training material by using audiovisual materials. We will cover all of the technology that is available to you as a trainer, including the use of a computer.

As you recall from previous chapters, you have conducted the needs assessment and decided what programs you are going to present in your training sessions. Once you have designed the program, developed your objectives, and planned your lecture material, you can begin to think about and plan what audiovisual aids you will use to enhance the material that you plan to incorporate in training.

We hope that you will think of other ideas beyond the traditional audiovisual aids such as flip charts, chalkboards, films, slides, and overheads. We want you to think about magazine ads, Tinker-toy building blocks, and Play-Doh modeling clay, to name a few, as other perhaps more innovative ways to enhance your training. We have even seen trainers use trainees as live visual aids to make a point.

Now that we have aroused your interest in Play-Doh, we do not plan to write a definitive treatise on its use in training sessions. Rather, we would like to explore some of the traditional ways to enhance your training and then discuss, at least on an introductory level, some of the nontraditional ideas that we have found successful. If you choose to develop your skills in training beyond this introductory presentation, we would recommend two specific behaviors to you. First, you can read materials that are listed in our bibliography on audiovisual techniques and strategies. Second, you can take a course in instructional technology and development that might be available at a nearby college or university. Either way, you should go on and explore audiovisual materials in more depth than we can provide in this introductory chapter.

As an overview, we would like to talk first about the purposes of audiovisual aids, when you should use them and when you should not use them. We will then discuss each of the various types of audiovisual aids, when that specific aid is appropriate, and for what size group you should use it. We will conclude the chapter with a discussion of what we consider to be some of the nontraditional a/v (audiovisual) materials.

Purpose of A/V Materials

The purpose of visual aids is to enhance the message you are trying to get across to your trainees. If you are using audiovisual material as a gimmick, it will certainly come across that way to your training audience. If you use too many of them, or inappropriate ones, that too will be perfectly clear. We have probably all heard stories of teachers who dress up in period costumes in order to teach history, as in dressing up as Shakespeare to talk about fifteenth-century England. This could be a very effective use of visual aids if we remember what was discussed rather than that the teacher dressed up as William Shakespeare. It is more important to make Shakespeare’s literature come alive than Shakespeare himself.

There are a number of things that should guide you in answering the question, “Should I use a visual aid?” First and foremost, if the visual aid—a slide, a video, computer graphic, a handout—will enhance the basics of your training program, then you should certainly use it. If a picture can convey more than simply words, then you should consider the use of a/v materials. A series of slides showing the various components of a computer word-processing system could be far more effective than just talking about it. Finally, if you view the audio-visual aids as a way of helping the trainee remember the content of your training program rather than the way in which you used the visual aid, then you should consider incorporating audio-visuals into the training package. As we suggested earlier on developing training materials, and as we suggested at the beginning of this chapter, consider audiovisual aids only after you have developed the full course content. Go back over your training materials and decide what would be an appropriate place for the use of audiovisuals.

On the same score, there are a number of things you should keep in mind in regard to when it would be inappropriate to use visual aids. If you find that you have incorporated too many a/v materials like our student described in the beginning of this chapter, then it is time to back off and cut out some, if not all, of your a/v supplements. Too many aids can spoil the effectiveness of a sound training program.

You should also keep in mind how much time you have in order to prepare audiovisual materials. If your overheads are sloppy, if your videotape is poor quality, or your audiotape can’t be heard, you are better off not using these poorly prepared materials. Remember, your image is at stake, in addition to the presentation of the training program. We don’t know for certain that good visual aids will add that much to a training program, but we do know that poorly prepared a/v materials can detract from the overall effectiveness of our training.

Finally, you should not use visual aids if they are either scheduled at an inappropriate time or are inappropriate for the nature of the content. Showing a series of slides because it is time for diversion is not making effective use of a/v materials. We recall a colleague who used slides for a session on relaxation and stress. The trainees commented that the slides looked more like the trainer’s vacation pictures than pictures designed to promote relaxation. Our colleague confessed they were right and he had learned the valuable lesson that these slides were inappropriate for this group. We are also reminded of a colleague who taught all of his classes by stringing together films and videotapes with little other material. Students confessed lots of sleep time and little learning.

We have but four simple basic rules that we subscribe to in the use of audio-visual aid in training programs. If these four general rules are kept in mind, use of a/v materials can be very effective.

Rule No. 1: Audiovisual aids should be confined to a single concept . For example, if you were to use an overhead you might want to focus on only one issue per overhead. You would certainly not want to cover the history of the theories of management all on one overhead or slide. The same principle applies to video – you would not want to play thirty minutes of tape on management principles when all you really wanted to discuss was leadership style. You would be far better off to play only an excerpt from the tape that confines discussion to the single concept. You might even want to create your own video or use live role-playing as the visual aid.

Looking at Exhibit 8.1, we can see an overhead that has lots of information but is cluttered with materials that, on the surface, do not relate well to each other. Are these factors of training evaluation or productivity? Does each item in the list have equal value? Only our trainer knows the relationship of the items on the overhead. In the second example, Exhibit 8.2, the trainer wants to remind the trainees of the two major types of training evaluation. If in fact, a participant in the training program could probably figure out what was meant with this visual aid without any other notes from the training session. This overhead is straightforward and uncluttered.

Rule No. 2: Make sure that every member of your training audience can see and/or hear the audiovisual aid . If you are playing an audiotape, you should determine in advance, that everyone, regardless of where they sit in the training room, can hear the material on the tape clearly. If you are using a micro tape recorder for an audience of 150, you had better make sure that you have a microphone or some other form of amplification so that all can hear the material. Showing 8 x 10 photographs to an audience of more than five or six would be another violation of this general rule. You would not pass around this book to show everybody the above exhibit. If all trainees cannot see it, or if they cannot hear it, you have made inappropriate use of your audiovisual aid.

Rule No. 3: Maintain control of your audiovisual . What does this mean? The beginning student in a public-speaking class perhaps is most guilty of violating this rule. When told to use visual aids, invariably a student will come with a series of pictures of his or her summer vacation. As the student progresses through the talk, the pictures begin circulating among fellow students with those at the beginning anxious to see each and every picture and those in the back of the room recognizing that they may never get to see them. If everybody cannot see the visual aid at the same time, you have lost control and you are better off not using the visual aid. The same student could have put the pictures on slides and thus maintained control of the visual, as well as guided the audience, or in our case the trainees, through the program simultaneously.

Keeping control also means that you have planned ahead for the use of your particular visual aid. If you are going to use a chart, make sure you have a place to set the chart that will allow it to remain in its full and upright position throughout your discussion. The last thing you want to be doing while discussing any audiovisual aid, such as a chart, is trying to hold it up so that it doesn’t fall off the chalkboard or away from your training podium. You may even have to pay to have a trainee hold the chart if there is no other way to insure control.

Rule No. 4: Watch out for Murphy’s Law . The most famous law, “If something can go wrong, it will” appears to apply most appropriately to audiovisual aids. How do you avoid this curse? Probably, you can’t prepare for all of the eventualities. Traditionally, you will carry extension cords, extra light bulbs, additional magic markers and chalk. Even that doesn’t protect you from the evils that lurk in the training session. We recall once carrying an overhead projector, complete with the additional bulb, the long extension cord, and markers some two thousand miles to present a training program. We went down and looked in the room to make sure there were electrical outlets within distance of our extension cord and that the screen was there and that everyone could see it, in spite of several columns strategically placed throughout the room. Thus, we felt fairly confident that we had followed the general rule and would avoid the pitfalls of Murphy’s Law. Needless to say, we were in for a big surprise when we set everything up, plugged in the overhead, and began the training program. At the point when we were to introduce the first overhead projection, we flipped the switch. Nothing happened. A quick check soon revealed that Murphy had struck again, Not only did the electrical outlet that we had used not work, but none of the electrical outlets in the entire room had power. Fortunately, we were not willing to let Murphy’s Law overcome the situation, as we had prepared all of our overhead projectors as handouts and were able to proceed without the use of the projector.

Perhaps the converse of this rule is most appropriate, and that is “Plan ahead and be prepared.” Check out every conceivable pitfall that may befall you as you are using visual aids. If you have rehearsed your presentation with visual aids, try to do so in the room in which you will be providing training. Thus, you will be able to avoid Murphy striking you.

Specific Visual Aids

In our discussion of specific types of visual aids, we will look at each one of them from the point of view of how to use it, the optimum size of the audience for that visual aid, and the advantages and disadvantages of that visual aid. We will look at the aids by categories, beginning with written visual aids such as overhead projections, chalkboards, flip charts, and handouts. The second category will include audiovisual aids. The third category will include all other visual forms of aids such as films, slides, video, and computer-generated materials. We will conclude by talking about some of the nontraditional aids described in the beginning of the chapter.

Written Aids

When we think of traditional visual aids, we immediately think of using the chalkboard, flip charts, and handouts. For the most part, these types of visual aids simply highlight in writing, those concepts that we are discussing orally. We use these aids to underscore our message, and to aid the trainee in remembering what we have talked about. They also serve the purpose of helping us maintain an outline and a flow for the material as we present it. In fact, some trainers have all of their notes in outline form on overhead projections and thus appear very organized because they can speak without having notes in hand or on the lectern.

The first and often used, written a/v type is the chalkboard, or the modern variation, the wallboard, on which we can use erasable markers. Modern training facilities have gone with the latter approach as it is less messy and does not create the squeaking sound that chalk tends to as we write on the board. A chalkboard is most useful for highlighting particular words and a quick drawing of rather elementary graphs and tables. Its obvious advantage is that it is easy to use and can be done quite spontaneously. Unless you have a series of boards that can be hidden from view, however, you really cannot prepare materials on the chalkboard in advance of the training program. Chalkboards offer a limited amount of space on which to write, and can be messy. The optimum audience size could range from one to probably not more than twenty-five or thirty.

Like the chalkboard, the flip chart can be used for highlighting specific words, or contents, as well as presenting graphs and simple tables. It, too, is easy to use, is relatively inexpensive, and the materials can be displayed in advance and revealed to the audience as needed. Pages also can be removed from the pad and attached to various walls around the training room for further use in the training session. On the other hand, the flip chart requires some kind of stand to hold it up and because of its size, limits the size of the audience for its effectiveness. It probably is optimal between five and twenty to twenty-five trainees.

The overhead projector moves you into more advanced media requiring both some kind of projection and a screen, or at least a wall, for the image. Like the chalkboard and the flip chart, the overhead projector is useful for displaying key concepts, graphs, and tables. In addition, one can make overheads of anything that can be put through a copy machine. This means that even color photographs can be first copied on an overhead transparency and then projected to an audience. Thus, you have greater flexibility with the use of overhead materials.

On the positive side, materials for overhead projectors are relatively inexpensive and are fairly easy to prepare. One can also use the overhead in a spontaneous way simply by writing on clear transparencies in the same way that you would on a flip chart or on the chalkboard. On the other hand, effective use of the overhead projector requires advance preparation, as well as the purchase or rental of such equipment. The optimum size audience for an overhead, ranges from five to approximately one hundred. If the audience approaches one hundred, you will find that a large screen, 25 x 25 feet, may be necessary and that you will be farther away from your overhead projector so that you will not have the flexibility of being able to write on the projector transparency and still be in front of the trainees. Thus, using an overhead for an audience of more than twenty-five or thirty can prove quite cumbersome and unwieldy. You will need an assistant just to change the overheads because you will be far from the projector if you plan to stand in front of the trainees.

We should also talk about the latest variation on the traditional overhead. We now have the capability to generate overheads on a computer and display them on either an overhead projector or a television screen, depending upon the type of conversion device used. The equipment used to convert a computer-generated image for display on a television screen can be quite expensive. Regardless of the method used, remember the earlier rules regarding the ability of the audience to see and hear the material.

A piece of equipment out of the dark ages that has pretty well lost favor and should not be in your training repertoire is the opaque projector. This equipment is designed to project printed material from the page onto a screen. Given copy machines and the development of overhead transparencies, we seldom, if ever, see an opaque projector. The disadvantages far outweigh the advantages in that it requires a room with total darkness and a piece of equipment that is very large and cumbersome. The appropriate audience size would be much like the other three previously discussed.

The last form of written visual aid we discuss is handouts. There are several varieties of handouts that you can use with trainees, ranging from simple outlines to incomplete notes in which the trainee provides the additional information you discuss in the training program. Another type of handout is a collection of essays and/or articles. You would use these various types of handouts at different times during the training program. For example, it is best to present an outline before the training program so that the trainee knows where you are headed. If the handout is a series of incomplete notes, this might be appropriate for use during the training program so that the trainees can fill in the missing blanks. If you are handing out supplemental material or a series of essays, then it would be best to provide this after the training program. Remember, any handout material you provide the trainees can serve as a diversion from the training material you are discussing.

While the authors like handouts, we are well aware of the pitfalls of their use. We try to provide our hand-outs as needed, rather than providing the entire packet at the beginning of the training program. You can see the advantages and disadvantages of this approach. If you provide all of the materials at the beginning, you should be prepared for the trainees to wander through the training packet during the initial portion of your training program. If you provide each handout as needed rather than as a total packet, you need to find an orderly way to distribute the material. It can be very disruptive if frequently during the training program you have to pause to hand out the necessary material. This interrupts the flow of your training, can be disruptive, and can cause the effectiveness to diminish. On the other hand, we prefer handing out materials as needed so that we can use the material in any order that fits our needs at that point. It also allows for the flexibility to skip training handouts because the trainees already understand the concept. For example, if you have three different handouts on the use of interviewing techniques; you may need only one to get your point across. If you feel the others are valuable, you can always provide those at the end of the training program as supplemental material. On the other hand, if it is in a training packet that you have handed out in the beginning, you will feel obligated to go through all of the materials in the prescribed order: otherwise the trainees will be confused by going from page 1 to page 27, back to page 2, and so on.

We further feel that handouts are useful as an audiovisual technique because they help the trainee after the training session is over. We believe they serve as an aid to memory; as a trainee in one of our workshops put it, they became the bible for his training in presentation skills. In fact, after the pages became ragged, he called us for a new training program for his new employees because he felt the manual was a good tool that he could use almost on a daily basis.

There is really no limit to the number in your audience for the use of handouts. The only word of advice we would give is the larger the audience, the more it may be necessary to put your handouts into a packet to be given to trainees at the beginning of the session. One can really not take the time to wander among two hundred participants each and every time a new handout is needed. Therefore. you would provide the training packet at the beginning and would be expected to go through all of the material.

As you will learn in the next chapter, it is now possible to develop a series of overheads/slides using the computer. These slides can be printed one or more to a page as a series of handouts to reinforce the message.

Audio Materials

Cassettes, records, and discs can also serve the trainer in the presentation of materials. As with all a/v aids, their use depends on the type of material covered and the points you are trying to make. We have found audiotapes to be quite useful as illustrations for a particular point, or to make examples to which trainees can respond. For example, if you were discussing the various types of empathic listening, you might put samples of dialogues on tape and ask the trainee to pick out which type of listening the person on the audiotape was doing. Audio tapes are relatively easy to produce, can be inexpensive, and are easy to use. With modern technology, audiotape recorders are fairly portable and with a microphone or an external speaker, can usually be heard by all members of the audience. On the other hand, overuse of audiotapes, because they lack the visual quality, can be somewhat boring to training participants.

There is really no limit on the size of your training audience for audiotapes and cassettes as long as everyone in the audience can hear them.

Visual Aids

In the category of audiovisual aids, we would include slides, film, videotapes, and computer graphics. These a/v types are the most stimulating for a training audience, but are the most difficult, time consuming, and expensive to use. Do not let that deter you from their use when it is appropriate for your training program.

The advantages of such visuals as slides, films, and videos are different for each, but the disadvantages are pretty much the same. The audience has to be of limited size, probably not more than twenty for videos, unless you have a number of monitors, and not more than one hundred for slides, or you will not be able to get a screen large enough to project an image that can be seen by everyone. The equipment is relatively expensive, but is rapidly becoming less expensive as new technology produces smaller and more compact units, particularly in the area of videotape.

Using professionally prepared slides, films, and videos can be quite expensive, because the supplier needs to build the cost of preparation and presentation into the actual expense of the film or videotape. For example, it can cost as much as $800 or $900 for a 20-minute film or video presentation. Prepared slide programs are also expensive, but are in the $100 to $300 range.

The advantage of using slides is that they are relatively inexpensive if you prepare your own, and are easy to use and quite portable. All of the advantages of the overhead projector can be duplicated by using slides, and you can develop sequence of items far more easily using slides than using an overhead projector. An additional benefit of using slides is that it is easy for you to develop vignettes or case studies for use by the training participants. In fact, you can develop a series of vignettes and ask the participants to follow through, expressing the outcomes of each of the scenarios you develop.

Films are advantageous because they allow you to present concepts in a process from where motion and a visual display are important. For example, you can have a film to demonstrate inappropriate leadership styles in management in an organization. The same can be said for the use of videotapes as can be said for films.

Many college and university facilities provide film and videotape libraries that are for rent at a nominal cost. If you have access to such materials. they can enhance your training program. If you make your own videotapes. you will need to find some kind of a facility that will allow you lighting and limited editing equipment so that you can produce a video of quality equal to the rest of your training program. If your videos look homemade, you will create that impression with the trainees.

You might also consider videotaping portions of existing television programs to make your particular point. For example, when we are discussing the various forms of influence on individuals, we can use commercials prepared for the mass audience and discuss the various types of influence that are used by the advertiser. Vignettes from soap operas, evening television performances, and news pro­grams can also be incorporated into videos to highlight points in your training program. Needless to say, all of this takes extra effort on your part in order to collect, edit, and use television as part of your video package. Note: Be cautious in using copies of television material because you do not want to violate copyright laws by copying and distributing these homemade collections.

Computer Graphics

While we will discuss the computer in more detail in the next chapter, we should point out that the computer offers a unique opportunity to generate graphics in the form of tables, graphs, and other charts that can be useful in combination with the more traditional forms of visual aids. Most software programs provide for the generation of computer graphics that can be used in training materials. The computer also offers the opportunity to generate free-form graphics through the use of an art boar, which is available for most computers in the moderate to expensive price range. You should check with your local computer outlet to determine what is available for the kind of machine you have access to.

Computer Combinations

We have labeled this section a combination since the computer allows you to combine video, audio, pictures, and graphics into an output which then can be projected to a training audience via a conversion device. For example, you could develop a computer presentation that talks about different types of speech introductions by presenting first a word label followed by a brief audio/video within the computer presentation. The trainer could stop; ask questions; replay the video; and move on to the next segment. This same program could be developed into a self-taught computer package that a trainee could complete. Every day we get more and more sophisticated possibilities from computer applications. Check your favorite computer software store for the latest possibilities.

Nontraditional Aids

All of the audiovisual aids discussed so far are traditional in the world of training and development. There are a number of other items that you should also include in your repertoire of enhancements for training. You may be familiar with some of these, but we would certainly recommend that you look at them as viable options for your training presentation. These nontraditional aids include Play-doh modeling clay, Tinkertoy building blocks, pipe cleaners, puzzles, and magazine pictures. We would also include in this category all three-dimensional objects, which we might label as props. In addition to serving the usual role as a/v aids, these nontraditional forms can heighten the interest of your training audience. When conducting workshops on stress, we sometimes introduce Play-Doh modeling clay as a form of stress reduction. When we look at workshops on team building and small-group exercises, we use Tinkertoy building blocks as a bases for group activity. The same could be said for other props, as well as pipe cleaners and puzzles.

You should not overlook the use of pictures, ads, and other materials from the printed media, as they too can serve as a form of audiovisual aid. As we mentioned earlier, when we are talking about the role of influence in communication, we use television ads; the same could apply to magazine ads. When doing a workshop on creativity, the advertisement by the SAAB Motor Company as an illustration of right/left brain and the thinking process can be used. This is a good ad that caters to both the right and left brain (if you use and accept this approach) by providing a visual image for the right brain and a very analytical description of data about the car for the left brain.

The use of nontraditional forms of audiovisual aid is unlimited. Anything that can be used to demonstrate a point, add interest, or generate enthusiasm can be considered as a visual aid. Our only requirement is that the aid fit the particular point we are trying to make, rather than simply introducing it because it happens to be novel. We recall a speaker once who had a paper bag sitting on the podium through most of the presentation. At the appropriate moment, the person reached into the paper bag and pulled out several stuffed animals. He described the conformity of board members of the foundation like a row of ducks, saying yes when asked. Needless to say, the visual aid was well received and proved to be quite memorable.

In conclusion, then, there is a wide variety of audiovisual aids that can be used to enhance your training program. Let us underscore that whatever aid you select will work if it is appropriate for the material, as well as for the trainees to whom you will be presenting it. You cannot overprepare i.e., making sure that all of the problems that can go wrong won’t. Keep your aids simple, direct, to the point, and related to your discussion. Plan for failure. A wise person once advised that you should keep candles in your training packet, because when everything in terms of your visual aids goes well, there is always the chance that the lights will go out from a power failure. If this happens, relax, maintain your composure, and hope that the power will go back on quickly.

13 Presentation Aids

A Picture is Worth a Thousand Words

In this chapter . . .

Most public speeches given today are supplemented by presentation aids. While these can be useful in providing a visual element and helping clarify speech, if used poorly they can be more distracting. In this chapter we cover both technological presentation aids such as slide shows as well as other less conventional methods.

When you perform a speech, your audience members will experience your presentation through all five of their senses: hearing, vision, smell, taste, and touch. In some speaking situations, the speaker appeals only to the sense of hearing. But the speaking event can be greatly enriched by appeals to the other senses. This is the role of presentation aids.

Presentation aids are the resources beyond the speech words and delivery that a speaker uses to enhance the message conveyed to the audience. The type of presentation aids that speakers most typically make use of are visual aids: slideshows, pictures, diagrams, charts and graphs, maps, and the like. Audible aids include musical excerpts, audio speech excerpts, and sound effects. A speaker may also use fragrance samples or food samples as olfactory (sense of smell) or gustatory (sense of taste) aids. Finally, presentation aids can be three-dimensional objects, animals, and people.

When used correctly, presentation aids can significantly improve the quality of a speech performance.

Why Use Presentation Aids

Public speakers can deploy presentation aids for many useful reasons, including to highlight important points, clarify confusing details, amuse the audience, express emotions that are impossible to convey through words alone, and much more.

Presentation Aids Support Audience Understanding

As a speaker, your most basic goal is to help your audience understand your message. Presentation aids can reduce the possibility of misunderstanding. Presentation aids do this by clarifying or emphasizing what you are saying in your speech.

Clarification is important in a speech because if some of the information you convey is unclear, your listeners will come away puzzled or possibly even misled. Presentation aids can help clarify a message if the information is complex or if the point being made is a visual one.

Clarifying is especially important when a speaker wants to help audience members understand a visual concept. For example, if a speaker is talking about the importance of petroglyphs in Native American culture, just describing the petroglyphs won’t completely help your audience to visualize what they look like. Instead, showing an example of a petroglyph, as in Figure 1.1 (“Petroglyph”) can more easily help your audience form a clear mental image of your intended meaning.

Another way presentation aids improve understanding is through emphasis. When you use a presentational aid for emphasis, you impress your listeners with the importance of an idea. In a speech on rising levels of CO2, you might show a chart. When you use a chart like the one in Figure 1.2 (“Global CO2 Emissions”) you give a pictorial emphasis on the changes in levels of CO2.

Presentation Aids Help Retention and Recall

Presentation aids can also increase the audience’s chances of remembering your speech. An image can serve as a memory aid to your listeners. Moreover, people remember information that is presented in sequential steps more easily than if that information is presented in an unorganized pattern. When you use a presentation aid to display the organization of your speech (such as can be done with PowerPoint slides), you’ll help your listeners to observe, follow, and remember the sequence of information you conveyed to them. This is why some instructors display a lecture outline for their students to follow during class and why a slide with a preview of your main points can be helpful as you move into the body of your speech.

Another advantage of using presentation aids is that they can boost your memory while you’re speaking. Using your presentation aids while you rehearse your speech will familiarize you with the association between a given place in your speech and the presentation aid that accompanies that material.

Presentation Aids Add Variety and Interest

Furthermore, presentation aids simply make your speech more interesting. For example, wouldn’t a speech on varieties of roses have greater impact if you accompanied your remarks with a picture of each rose? Similarly, if you were speaking to a group of gourmet cooks about Indian spices, you might want to provide tiny samples of spices that they could smell and taste during your speech.

Presentation Aids Enhance a Speaker’s Credibility

Even if you give a good speech, you run the risk of appearing unprofessional if your presentation aids are poorly executed. Conversely, a high-quality presentation will contribute to your professional image. This means that in addition to containing important information, your presentation aids must be clear, uncluttered, organized, and large enough for the audience to see and interpret correctly. Misspellings and poorly designed presentation aids can damage your credibility as a speaker. If you focus your efforts on producing presentation aids that contribute effectively to your meaning, that look professional, and that are managed well, your audience will appreciate your efforts and pay close attention to your message.

Types of Presentation Aids

Slideshow: When we think of public speaking presentation aids, our thoughts go first to a slideshow. Slide presentation software is the most common tool used by speakers to accompany their speeches. The most well-known one is PowerPoint, although there are several others like Prezi and Keynote. A slideshow is a presentation aid that is made up of slides that typically contain words, images, or a combination of both.

Video: A speaker may wish to show the audience a clip of a video or other moving image in their speech. This can be played stand-alone or incorporated into a slideshow.

Music or Sound: Similarly, sound and music can be used as a presentation aid, recorded or live. Similarly, a sound recording could be played stand-alone or incorporated into a slideshow.

Physical Objects: A speaker may bring in a model, or other physical object, as an aid to presentation. For example, if you were doing a speech about the importance of emotional support animals, you might bring in a dog.

People: It is possible to use a person as a presentation aid, as in the case of demonstrations.

Other Aids: Other “low-tech” presentation aids include printed handouts, whiteboards, and flipcharts.

The sections that follow will discuss each of these types in more depth.

Designing Slideshows

In many industries and businesses, there is an assumption that speakers will use presentation slideshows. They allow visualization of concepts, they are easily portable, and they can be embedded with videos and audio. You’ll probably be expected to have slide presentations in future assignments in college. Knowing how to use them, beyond the basic technology, is vital to being a proficient presenter.

But when do presentation slides become less effective? We have all sat through a presenter who committed the common error of putting far too much text on the slide. When a speaker does this, the audience is confused—do they read the text or listen to the speaker? An audience member can’t do both. Then, the speaker feels the need to read the slides rather than use PowerPoint for what it does best, visual reinforcement and clarification.

We have also seen many poorly designed PowerPoint slides, either through haste or lack of knowledge: slides where the graphics are distorted (elongated or squatty), words and graphics not balanced, text too small, words printed over photographs, garish or nauseating colors, or animated figures left up on the screen for too long and distracting the audience.

There are principles you can follow to create slides and slideshows that are effective. In addition to the rules below, Microsoft offers tips on best practices for PowerPoint slides.

Unity and Consistency

Generally, it’s best to use a single font for the text on your visuals so that they look like a unified set. Or you can use two different fonts in consistent ways, such as having all headings and titles in the same font and all bullet points in the same font. Additionally, the background should remain consistent.

Each slide should have one message, often only one photo or graphic. The audience members should know what they are supposed to look at on the slide.

Another area related to unity and consistency is the use of animation or movement. There are three types of animation in slideshows:

  • little characters or icons that have movement. These may seem like fun, but they can be distracting.
  • movement of text or objects on and off the screen. Although using this function takes up time when preparing your slides, it’s very useful. You can control what your audience sees. It also avoids bringing up all the text and material on a slide at one time.
  • slide transitions, which is the design of how the next slide appears.

Emphasis, Focal Point, and Visibility

Several points should be made about how to make sure the audience sees what they need to see on the slides.

  •  make sure the information is large enough for the audience to see. Text being at least 22-point font is best for visibility.
  • the standard rule for amount of text is that you should have no more than seven horizontal lines of text and the longest line should not exceed seven words.
  • you should also avoid too many slides. Less sometimes really is more. Again, there is no fixed rule, but a ten-minute speech probably needs fewer than ten slides.
  • Good contrast between the text and background is extremely important. Sans serif fonts such as Arial, Tahoma, and Verdana are better for reading from screens than serif fonts such as Times New Roman, or Garamond.

Fonts, color, clip art, photographs, and templates all contribute to tone, which is the attitude being conveyed in the slides. If you want a light tone, such as for a speech about cruises, some colors (springtime, pastel, cool, warm, or primary colors) and fonts (such as Comic Sans) and lots of photographs will be more appropriate. For a speech about the Holocaust, more somber colors and design elements would be more fitting, whereas clip art would not be.

Scale and Proportion

Although there are several ways to think about scale and proportion, we will discuss two here.

First, bullet points. Bullet points infer that the items in the bulleted list are equal, and the sequence doesn’t matter. If you want to communicate order, sequence, or priority, then use numbers. Bullet points should be short—not long, full sentences—but at the same time should be long enough to mean something. In a speech on spaying and neutering pets, the bullet point “pain” may be better replaced with “Pet feels little pain.”

Second, when you’re designing your slides, it’s best to choose a template and stick with it. If you input all your graphics and material and then change the template, the format of the slide will change, in some cases dramatically, and you’ll have distorted graphics and words covered up. You’ll then have to redesign each slide, which can be unnecessarily time-consuming.

Suitable Visual Images

Often, a speaker alternates text slides with slides containing visual images. Sometimes, a slideshow is made up entirely of images. Let’s look at the kinds of images you might use in a slideshow.

Charts : A chart is commonly defined as a graphical representation of data (often numerical) or a sketch representing an ordered process. Whether you create your charts or do research to find charts that already exist, it’s important for them to exactly match the specific purpose in your speech. Three common types of charts are statistical charts , sequence-of-steps chart , and decision trees . Graphs : A graph is a pictorial representation of the relationships of quantitative data using dots, lines, bars, pie slices, and the like. Common graphs speakers utilize in their speeches include line graphs, bar graphs, pie graphs, and pictographs. Diagrams: Diagrams are drawings or sketches that outline and explain the parts of an object, process, or phenomenon that can’t be readily seen. Maps : Maps are extremely useful if the information is clear and limited. There are all kinds of maps, including population, weather, ocean current, political, and economic maps. Photographs: and/or Drawings : Sometimes a photograph or a drawing is the best way to show an unfamiliar but important detail. Audiences expect high quality photographs, and as with all presentation aids, they should enhance the speech.

Using Video and/or Audio Recordings

Another particularly useful type of presentation aid is a video or audio recording. Whether it’s a short video from a website such as YouTube or Vimeo, a segment from a song, or a piece of a podcast, a well-chosen video or audio recording may be a good choice to enhance your speech.

There is one major warning to using audio and video clips during a speech: don’t forget that they are supposed to be aids to your speech, not the speech itself. Be sure to avoid these five mistakes that speakers often make when using audio and video clips:

  • Avoid choosing clips that are too long for the overall length of the speech.
  • Practice with the audio or video equipment prior to speaking. Fiddling around will not only take your audience out of your speech but also have a negative impact on your credibility. Be sure that the speakers on the computer are on and at the right volume level.
  • Cue the clip to the appropriate place prior to beginning your speech.
  • In addition to cueing up clip to the appropriate place, the browser window should be open and ready to go.
  • The audience must be given context before a video or audio clip is played, specifically what the clip is and why it relates to the speech. At the same time, the video should not repeat what you have already said but add to it.

Objects or Models

Objects refer to anything you could hold up and talk about during your speech, as in Figure 1.3. If you’re talking about the importance of not using plastic water bottles, you might hold up a plastic water bottle and a stainless-steel water bottle as examples.

We can often use ourselves or other people to adequately demonstrate an idea during our speeches. If your speech is about ballroom dancing or ballet, you might use your body to demonstrate the basic moves in the cha-cha or the five basic ballet positions.

In some cases, such as for a demonstration speech, you might want to ask someone else to serve as your presentation aid. You should arrange ahead of time for a person (or persons) to be an effective aid—don’t assume that an audience member will volunteer on the spot. The transaction between you and your human presentation aid must be appropriate, especially if you’re going to demonstrate something like a dance step. In short, make sure your helper will know what is expected of them and consents to it.

Other Types of Presentation Aids

Dry-erase board.

Numerous speakers utilize dry-erase boards effectively. Typically, these speakers use the dry-erase board for interactive components of a speech. For example, maybe you’re giving a speech in front of a group of executives. You may have a PowerPoint all prepared, but at various points in your speech you want to get your audience’s responses.

If you ever use a chalk or dry-erase board, follow these four simple rules:

  • Write large enough so that everyone in the room can see.
  • Print legibly; don’t write in cursive script.
  • Write short phrases; don’t take time to write complete sentences.
  • Be sure you have markers that will not go dry; clean the board afterward.

A flipchart is useful for situations when you want to save what you have written for future reference or to distribute to the audience after the presentation. As with whiteboards, you’ll need good markers and readable handwriting, as well as a strong easel to keep the flipchart upright.

Handouts are appropriate for delivering information that audience members can take away with them.

  • make sure the handout is worth the trouble of making, copying, and distributing it. Does the audience really need the handout?
  • make sure to bring enough copies of the handout for each audience member to get one.
  • Stay away from providing a single copy of a handout to pass around. It’s distracting and everyone will see it at different times in the speech, which is also true about passing any object around the room.
  • If you have access to the room ahead of time, place a copy of the handout at or on each seat in the audience. If the handout is a “takeaway,” leave it on a table near the door so that those audience members who are interested can take one on their way out.

How to Perform with Presentation Aids

Just as everything else in public speaking performance, it takes practice to effectively perform a speech while seamlessly incorporating presentation aids. Below are some tips and tricks for how to include presentation aids as part of a strong speech delivery.

Speaking with a Slide Presentation

The rhythm of your slide presentation should be reasonably consistent—you would not want to display a dozen different slides in the first minute of a five-minute presentation and then display only one slide per minute for the rest of the speech.

Whether using a remote “clicker” or the attached mouse, you should connect what is on the screen to what you’re talking about at the moment. Put reminders in your notes about when you need to change slides during your speech.

A basic presentation rule is to only show your visual aid when you’re talking about it and remove it when you no longer are talking about it. If you’re using PowerPoint and if you’re not talking about something on a slide, put a black slide between slides in the presentation so that you have a blank screen for parts of the speech.

Some other practical considerations are as follows:

  • Be sure the file is saved in a format that will be “readable” on the computer where you’re presenting.
  • Any borrowed graphic must be cited on the slide where it’s used; the same would be true of borrowed textual material. Putting your sources only on the last slide is insufficient.
  • A strong temptation for speakers is to look at the projected image rather than the audience during the speech. This practice cuts down on eye contact, of course, and is distracting for the audience. Two solutions for that are to print your notes from the presentation slides and/or use the slides as your note structure. Also remember that if the image is on the computer monitor in front of you, it’s on the screen behind you.
  • Always remember—and this can’t be emphasized enough—technology works for you, not you for the technology. The presentation aids are aids, not the speech itself.
  • As mentioned before, sometimes life happens—technology does not work. It could be that the projector bulb goes out or the Internet connection is down. The show must go on.
  • If you’re using a video or audio clip from an Internet source, it’s probably best to hyperlink the URL on one of the slides rather than minimize the program and change to the Internet site.
  • Finally, it’s common for speakers to think “the slide changes, so the audience know there is a change, so I don’t need a verbal transition.” Please don’t fall into this trap. Verbal transitions are just as, and maybe more, necessary for a speech using slides.
  • Do not obscure your visual aid– practice standing to the side of your aid when rehearsing.
  • Remember to keep eye contact with the audience, even when referring to a visual aid. Certainly, never turn your back on the audience!
  • Rehearse with your visual aids. You want to have transitions between showing and hiding visual aids to be seamless, with as little filler time or distractions as possible. Practice makes perfect in this regard.
  • As will be mentioned again below: simplicity is key. Avoid anything too distracting, too complicated, anything that will take a lot of time away from your speech content. You always want aids to supplement, not supplant, your speech content and delivery.

Avoiding Problems with Presentation Aids

Presentation aids can be tricky to use, as they can easily distract from the focus of your speech: the content and your delivery. One tip to keep in mind is to use only as many presentation aids as necessary to present your message or to fulfill your classroom assignment. The number and the technical sophistication of your presentation aids should never overshadow your speech.

Another important consideration is technology. Keep your presentation aids within the limits of the working technology available to you. As the speaker, you’re responsible for arranging the things you need to make your presentation aids work as intended. Test the computer and projector setup. Have your slides on a flash drive AND send it to yourself as an attachment or upload to a Cloud service. Have an alternative plan prepared in case there is some glitch that prevents your computer-based presentation aids from being usable. And of course, you must know how to use the technology.

More important than the method of delivery is the audience’s ability to see and understand the presentation aid. It must deliver clear information, and it must not distract from the message. Avoid overly elaborate or confusing presentation aids. Instead, simplify as much as possible, emphasizing the information you want your audience to understand. Remember the acronym KISS: Keep it Simple, Speaker!

Another thing to remember is that presentation aids don’t “speak for themselves.” When you display a visual aid, you should explain what it shows, pointing out and naming the most important features.

To finish this chapter, we will recap and remind you about the principles of effective presentation aids. Whether your aid is a slide show, object, a person, or dry erase board, these standards are essential:

  • Presentation aids must be easily seen or heard by your audience.
  • Presentation aids must be portable, easily handled, and efficient.
  • Presentation aids should disappear when not in use.
  • Presentation aids should be aesthetically pleasing, which includes in good taste. Avoid shock value just for shock value.

Visual aids are an important part of presentations. They can help to keep your audience engaged, make your point for you—there is a reason why people say that a picture tells a thousand words—and remind you what you want to say.

However, you can also take them too far.

If good use of visual aids can make a presentation, poor use can ruin it. Who, after all, has not be subject to ‘death by PowerPoint’, in one of its many forms? This page explains more about how to use visual aids effectively in presentations and helps you to avoid being remembered for all the wrong reasons.

What Are Visual Aids?

Visual aids are exactly what they sound like: a visual support to you standing up and speaking.

They are commonly something like slides setting out your main points, or a video. They can also take the form of a handout, either of your slides, or a summary of your presentation, the use of a flip chart, or even something interesting that you have brought along to show your audience and make a point.

If visual aids are used well they will enhance a presentation by adding impact and strengthening audience involvement. They can also be a helpful to reminder to you of what you wanted to say.

You should only use visual aids if they are necessary to maintain interest and assist comprehension in your presentation.

Do not use visual aids just because you can, or to demonstrate your technological competence. Doing so may make it harder to get your messages across clearly and concisely.

For each visual aid or slide, ask yourself why you are using it. If there is no real purpose, don’t include it.

Thinking Ahead—Planning Your Visual Aids

Most visual aids will need advance preparation. You will need to know how to operate the equipment effectively.

Check beforehand what facilities are available so that you can plan your presentation accordingly.

Also check whether you need to send your presentation in advance to be loaded up, or whether you can bring it on a memory stick or similar.

Presentation software

It is now common to use presentation software such as PowerPoint.

Indeed, few presenters would dare to attend an event without a PowerPoint file. However, it is still possible to manage without. Some of the very best lecturers and speakers do not use PowerPoint. At most, they might draw on a flip chart or whiteboard. What they have to say, and the style in which they say it, is compelling enough to hold their audience.

For most of the rest of us, PowerPoint is likely to be the way forward, however.

Top tips for using PowerPoint

Keep it simple. Use no more than three to five bullet points per slide and keep your bullet points to a line of text, if possible. Your slides should be a guide to what you are going to say, not a verbatim account.

Don’t use visual effects unless they actually add to your presentation. PowerPoint has some very nice options for adding and subtracting text, but they can be very distracting. Stay away unless you really know what you’re doing.

Keep it short. A half-hour presentation can usually be summarised into six to ten slides at most.

Don’t use the notes function. PowerPoint has a ‘notes’ function that allows you to write notes under the slides for your benefit. Don’t. You will try to read them off the screen, and stop talking to your audience. Instead, use cue cards held in your hands and focus on your audience.

Other common visual aids include:

  • Whiteboards and interactive whiteboards
  • Flip charts

Whiteboards and Interactive Whiteboards

Whiteboards are good for developing an explanation, diagrams and simple headings.

They can also be used for recording interaction with, and comments from, the audience during brainstorming sessions .

Remember that writing on a whiteboard takes time and that you will have to turn your back to the audience to do so. If using a whiteboard, you should ensure that your handwriting is legible, aligned horizontally, and is sufficiently large to be seen by all the audience. Also ensure that you use non-permanent pens (sometimes referred to as dry-wipe pens) rather than permanent markers so that your writing can be erased later.

Bear in mind that the white background of a whiteboard can cause contrast problems for people with impaired vision.

Interactive whiteboards can be used for PowerPoint presentations, and also to show videos, as well as to write on and record interactions with the audience. They are, effectively, projector screen/whiteboard combinations, with attitude. If you plan to use an interactive whiteboard, you should make sure you know how it works, and practice using it, before your presentation. It is NOT a good idea to make first use of one in a major presentation.

Flip Charts

A flip chart is a low cost, low tech solution to recording interactive meetings and brainstorming sessions.

At many venues, however, they have been replaced by interactive whiteboards.

A flip chart can be prepared in advance and is portable, it requires no power source and no technical expertise.  Flip charts are ideal for collecting ideas and responses from the audience and are good for spontaneous summaries.  However, if the audience is large, a flip chart will be too small to be seen by everyone.

Top tips for the effective use of a flip chart:

Arrive early and position the flip chart so that you can get to it easily when you need it.

Position the flip chart so that you can stand next to it and write while still at least half-facing your audience. Do not turn your back on your audience.

Make sure you have several marker pens that work.

Only use blue or black marker pens. It will be difficult for those at the back of the room to see any other colours. You can use red pens to accentuate blue or black.

Make your letters at least 2-3 inches tall so that everybody can see what you have written.

Draw lines in pencil on blank pages before your presentation, to help you keep your writing legible and straight.

If you are using a flip chart as an alternative to PowerPoint:

  • Plan out your pages as you are writing the outline for your presentation;
  • Write notes to yourself, in pencil, on the flip chart to remind you of the points you want to make. Your audience will not see the pencil notes.

If you have something that you want to present and then accentuate during the presentation or discussion, write out the flip chart page beforehand so that you can just flip the page to it—or just use a PowerPoint slide.

If you need to refer to something that you wrote on a page at a later point in your presentation, rip off the page and fix it to the wall.

Videos are particularly good for training purposes. Short videos can also be embedded into a PowerPoint presentation to make a point, or provide an example. This is becoming increasingly popular with the advent of YouTube, because far more videos are available. Smartphones have also made recording your own videos much easier.

However, as with any visual aid, make sure that you are using video for a purpose, not just because you can.

Handouts summarising or including the main points of a presentation are an excellent addition, but must be relevant.

Presentation software packages such as PowerPoint can automatically generate handouts from your presentation slides. You can also prepare a one-page summary of your presentation, perhaps as a diagram, if that seems more appropriate. This may be particularly useful if you are asked to do a presentation as part of an interview .

If you do provide handouts, it is worth thinking carefully about when to distribute them.

Giving out handouts at the start of a talk will take time and the audience may start to read these rather than listen to what the speaker is saying. However, if your presentation contains complex graphs or charts, the audience will appreciate receiving the handout before the presentation starts since they may find it easier to view these on paper than on the projection screen. The audience may also appreciate being able to make their own notes on the printed handout during the presentation.

Consider the best time and method to distribute any handouts, including either placing them on seats prior to the start or giving them out at the end of your presentation. You may also consider emailing copies of handouts to participants after the event. If your talk includes questions or discussion this will give to time to summarise this and communicate it back to the attendees.

A final take-away

There is no question that visual aids, used well, will enhance your presentation. They add a more visual element to the auditory aspect of you speaking. They therefore help to engage your audience on more levels, and also keep them interested.

The key to avoiding ‘death by PowerPoint’ is to focus on the purpose of each slide or visual aid, and ask yourself:

How does this add to what I am saying?

‘Adding’ may of course include ‘providing a summary’, but if your slide adds nothing to your spoken words, then do not include it.

Identify common missteps that lead to bad presentations

Before you just open up PowerPoint and begin creating slides, you should stop for a moment and consider what type of visual aid will best serve your purpose and if you even need an aid at all. Select a visual aid that adds to your presentation in a meaningful way, not one that is merely something pretty to look at or a substitute for thorough preparation.

Visual aids serve a unique role in a presentation, and you should consider the specific purpose and desired outcome of your speech when determining if, when, to what extent, and in what format you use visual aids.

Here’s a quick checklist to decide whether electronic visual aids (e.g., PowerPoint) are a good idea for your presentation:

  • If so, you should use visuals. Make sure you pay attention to any technical or formatting requirements.
  • In some cases, visuals almost go without saying. If you’re presenting on the artist Amy Sherald, it makes good sense to show examples of her work. If you’re just putting up a slide for the sake of having something on the screen, you should reconsider. Everyone loves a good cat meme, but if it has nothing at all to do with your topic, it’s not helping.
  • A quick search for “bad PowerPoints” reveals how distracting bad visuals can be. Even worse are visuals that are inappropriate for the setting or offensive to the sensibilities of your audience.
  • If you need complicated text, data, facts, or figures, it might be a better option to give your audience a handout they can peruse later.
  • If there’s no projector, for instance, just holding up your laptop isn’t going to cut it. Not being able to see the visuals easily is frustrating for everyone.
  • Spending 15 minutes trying to fix the A/V setup is a highly counter-productive way to start your speech.

Visuals can  spark interest , build  emotional connections ,  clarify  your words,  explain abstract ideas , help  draw conclusions , or  increase understanding . Done well—simple, visible, relevant, memorable, and audience-focused—visual aids can have a profound impact on your audience and your overall message. Not just any visual will do, however. Each visual should be relevant to your message, convey an important point, be clearly understandable, and be visible by your entire audience. Visuals should be used to make concepts easier to understand and to reinforce your message. They should illustrate important points that are otherwise hard to understand.

Bad Presentations

This PowerPoint has way too much text on it! And the text is small . . . and red and pink! Chances are good a slide like this has lost the audience already.

Why are there still so many bad presentations? Wouldn’t you think that modern communication technology—considering the advances in graphics and communications software alone!—would lead to more compelling presentations? Interestingly, the problem is, to some extent, the technology. It’s estimated that 30 million PowerPoint presentations are created every day, with (seemingly) a majority of presenters opting for default layouts and templates. The problem is, we’re wired for story, not bullet points. A related failure is our use of available technology.

In 2001, Seth Godin wrote a wonderful—and instructive—rant on these points:  Really Bad PowerPoint (and How to Avoid It) , blaming Microsoft for countless ineffective presentations:

Microsoft has built wizards and templates right into PowerPoint. And those “helpful” tools are the main reason that we’ve got to live with page after page of bullets, with big headlines and awful backgrounds. Let’s not even get started on the built-in clip art.

In response to a question regarding “death by PowerPoint” on the TechTarget Network, Margaret Rouse provided this definition: “a phenomenon cause by the poor use of presentation software,” identifying the primary contributors of this condition as “confusing graphics, slides with too much text and presenters whose idea of a good presentation is to read 40 slides out loud.”

So how do we avoid causing “death by PowerPoint”—or by whatever presentation software we use? The common denominator of presentation mistakes is that they represent a failure of communication. This failure can be attributed to two errors: too much or too little. The error of too much is generally the result of trying to use slides as a teleprompter or a substitute to a report, or, it would seem, to bludgeon the audience into submission. Of course, this method tends to have an alternate effect, namely, prompting audience members to walk out or tune out, turning their attention instead to doodling or their device of choice.

What bad presentations have too little of is emotion. Presentation expert and author of the classic Presentation Zen (and four related books) Gar Reynolds captures the crux of the problem: “a good presentation is a mix of logic, data, emotion, and inspiration. We are usually OK with the logic and data part, but fail on the emotional and inspirational end.” There’s also a hybrid too-little-too much mistake, where too little substance and/or no design sensibility is—in the mind of the presenter—offset by transitions and special effects. Heed Seth Godin’s advice: “No dissolves, spins or other transitions. None.”

The 10/20/30 rule, generally attributed to venture capitalist Guy Kawasaki, is a good guideline to help you achieve a “just right” balance in your presentations. Geared for entrepreneurs pitching their business, his advice is a discipline that would improve the quality—and effectiveness—of most presentations. In brief, 10/20/30 translates to a maximum of 10 slides, a maximum of 20 minutes and a minimum of 30 point font.

Your presentation should have no more than 10 slides, take no more than 20 minutes, and use type no smaller than 30 point font.

While this rule is a good starting point, it doesn’t overrule your audience analysis or understanding of your purpose. Sometimes, you may need more slides or have a more involved purpose—like training people in new software or presenting the results of a research study—that takes more than 20 minutes to address. In that case, go with what your audience needs and what will make your presentation most effective. The concept behind the 10/20/30 rule—to make new learning easy for your audience to take in, process and remember—should still be your guide even if you don’t follow the rule exactly.

Visual Aids in Speeches: When to use them and when to not?

So much of the content we consume is visual. It is no wonder it can enhance the impact of your speech as well.

They can be a great tool for the audience to follow your speeches more clearly. Especially if your speech is demonstrative, adding visual aids will only benefit your overall presentation.

When you are giving a public speech, you want the audience to ideally listen to the message you are trying to convey.

However, there are many types of visual aids that can add a refreshing aid to your main message.

What are visual aids?

Visual aids can include a wide variety of items such as handouts, slides, videos, posters, models, and more.

The purpose of these visual aids is to reinforce your main message. There are many reasons why you might consider adding visual aids to your presentation. Some of them can be as follows:

  • Present clear examples.
  • Provide a concise summary.
  • Emphasize your points.
  • Add credibility through references and facts.
  • Give clear demonstrations.
  • Help the audience understand better.
  • Reduce the number of spoken words. For instance: showing a visual graph than boring your audience with data.
  • Create a stronger impact. For instance: if your presentation is on the environmental risks of plastic usage, you may show images of the negative effects of plastics on marine life and pollution rather than simply describing this. Try to envision what you want your audience to feel – do you want them to empathize, feel sad, happy, or angry? Plan accordingly.
  • Reiterate and make your points memorable.
  • Engage the audience and maintain their interest.

Things to keep in mind when using visual aids

While visual aids are certainly a great addition to your speech, you still want to make sure that they do not distract from your main message.

It is very easy to go overboard with visual aids. This is why we have below a convenient checklist of things to keep in mind when using visual aids:

You need to ensure that the visual aids you pick are relevant to your speech. You want your visual aids to add to your message.

Often you see speakers hand out flyers or sheets during their presentations. This is very distracting and ensures that you are wasting valuable stage time as well.

The best time to provide these handouts is after your speech so they can have a brief overview of your speech. You can also provide them before your speech provided that they have enough time to skim through and then pay attention to your speech.

When using slides, font size is an important factor. The same is the case with charts, whiteboards, posters, and so on.

You have to be considerate about the audience that is listening in from the back of the room.

There is no point in incorporating visual aids if everyone is straining to see them. Once you decide to use these additional materials, make sure it is visible and legible.

Variation refers to when you are looking to use multiple types of visual aids. Typically, we recommend you stick to one variety as multiple may be difficult to manage.

However, if you feel that it is supportive of your speech, you can definitely go for it. Just make sure that the variation adds further intrigue.

Try not to throw too much data at them, such as charts, graphs, and more. If your speech is data-centric, try to make it visually appealing by experimenting with the variety of visual aids at your disposal.

When it comes to visual aids, pay attention to quality. If you’re not particularly adept at the software needed for your presentation, try to get help from someone who is.

Cluttered or unorganized visual aids can harm your speech more than not using them entirely. You want to make sure that anything you display does not take away from your credibility.

Make sure that your visual aids match your message. For instance: you typically wouldn’t use charts and data for a humorous speech.

Never use visual aids just for the sake of using them and make sure that it is appropriate to the message of your speech. 

Types of visual aids

There are a variety of visual aids. From slides to posters and models, you need to decide which will suit your presentation as well as your audience.

PowerPoint or Google Slides are a fairly common visual aid used in presentations. Nowadays, with all the widely available themes, both premium and free, it has become easy to create professional-looking slides within minutes. This is a great medium and can be quite versatile if you know what you’re doing. If you are an Apple IOS user , you can try pages or Google slides.

From simple bullet points to picture slides, PowerPoint is a surefire to take your public speaking to the next level.

With simple modifications and reorganization, you can take your visual content to the next level. You can experiment with colors and pictures.

There is a good reason why PowerPoint has stood the test of time as an effective visual aid. They’re easy to make and visible to a wide audience.

If incorporated well, it can work great with your presented speech. However, it is easy to go wrong with this. Ensure you don’t go overboard with the colors and keep the slides professional.

  • Use a plain and simple background.
  • Stick to one or two fonts and font sizes.
  • Avoid large blocks of text and use bullet points to summarise key points.
  • Avoid using multi-colored texts that can be difficult to read.
  • Try to limit the number of important points you add to one screen.
  • Use a larger font size so that the whole room can follow.
  • If there is a lot of detail, you might want to provide handouts so that the information is easy to understand.
  • Use your slides only to enhance your presentation and be prepared for technical glitches.
  • Don’t try to add too many images or animations without a purpose so as to avoid any unnecessary distractions.
  • There is always a risk for technical glitches. As such, come prepared with handouts or be prepared to go without the visual aids if needed.

Whiteboards

Whiteboards are an excellent visual aid for a speech. These are best fitted for when you need to explain complex processes.

It is also useful when the audience needs to follow along to a cycle or if your speech includes complex phrases.

Whiteboards can be a great tool in audience participation. You can jot down any suggestions made by the audience.

They can also display key points of information throughout the meeting to keep your message centered.

  • If you’re going to be changing the information repeatedly, make sure that the audience has had the time to properly understand the message before erasing.
  • Make sure you write in big block letters that are easily visible and legible.
  • Try not to have your back facing the audience for too long.
  • Practice well beforehand as you want to avoid any hand tremors as you write in front of the audience.

When addressing a larger audience, you might want to make sure that the audience can easily access visual aids.

In these cases, it is best to go for handouts. These are handy summaries that contain the key points from your speech.

It will make it easy for your listeners to follow. When it comes to slides or whiteboard information, there is always a chance that the audience might not be keeping up.

However, if they have their personal handout, they can glance at this information and keep track of the main message. This is also much more effective than having the audience have to take notes.

  • Usually, handouts are given at the end of your presentation so that the audience has a handy reminder of your key message.
  • Try not to interrupt the flow of your speech by distributing them during your speech.
  • If you are handing these out at the beginning of your speech, try not to overload the paper with too much information. You might end up overwhelming the audience, and they might not end up paying attention to your speech.
  • Make sure your handout includes the graphs, charts, or any other visual data that you may have in your speech. This will help them grasp the impact much more easily.

Flip charts are quite an old-school visual aid. However, they are the best option when you want to present at a budget but don’t have the tech needed on hand.

Flip charts act as a great supplement to your spoken information. The drawback is that these often limit you to smaller audiences.

The information needs to be easily visible, which is more likely for smaller groups. This does make it perfect for team meetings and brainstorming ideas.

You can have your key points easily displayed or include charts and graphs as you go. Instead of having a consistent topic displayed like a whiteboard or having to turn your back to the audience as you erase and rewrite, you can simply flip the pages and carry on.

  • Make sure you check the order of the charts beforehand and have extra sheets on hand should you need them.
  • Try not to stuff too much information into one chart. Limit your key points so that your information is easy to follow.
  • Separate different inks for different information. For instance, use red ink to highlight anything important so that the information does not get lost in the mix.
  • Use large letters that are easy to read.

I enjoyed reading about how you use AV for science. Science is definitely not my favorite to teach, so I find myself using a lot of videos, documentaries, and pictures to explain concepts. Especially when teaching French Immersion, some concepts can be extra difficult to explain when it’s not our first language. I even watch videos first to understand so I can teach my students properly.
