Work Experience for a Resume: How to Add it to Get Hired

For most professionals, the Work Experience section of their resme will be the most important part of their most important career document. This is the part that proves to a hiring manager that you have the knowledge, background, and experience to excel. But, given that it carries so much weight, how can you write and format it for maximum impact?

In this article, we'll examine how to lay out your resume work experience section, what to include, and how to word it. There are plenty of examples too, so that you can visualize how your resume could look. In short, we'll give you the crib sheet that teaches you how to produce a stellar resume that gets noticed for all the right reasons.

Where should I position my resume work experience?

While your work experience is likely to make up the bulk of your resume, that doesn't mean you should put it right at the top. Start with your contact details and headline , followed by a profile summary and your key skills .

Then, you have a decision to make. If you're a recent graduate , or you're aiming for your first job, your qualifications are probably more impressive than any work experience you have. Therefore, put your qualifications section directly under the key skills and position any work experience you have underneath that.

If you're established in your career, however, it's your professional experience that should take center stage. Relegate your qualifications to the bottom of the resume and promote your work experience to start just below your skills.

Pro tip: When you're writing a resume, put yourself in the mind of your reader. Make sure it's easy for them to find the most impressive and relevant information!

How to lay out your resume work experience

First things first – you need to create a basic layout for your resume work experience that you can then replicate for every role. You'll need the following elements:

Section heading

To ensure your resume is easy to navigate, begin with the section heading. You can choose from any of the following:

Work experience

Professional experience

Career history

Career summary

The heading should be in a larger font than the body of the text, so that a reader can immediately identify and jump to the section they're interested in.

Next up, you'll need a subheading for every role you've held over the last 10-15 years. Within that subheading, include:

Your job title. Ideally use your official job title, but if you're going for a similar role with a slightly different title, it's fine to tweak it, or to put the target job title in brackets. The key point is that the job title should accurately reflect what the job actually entails.

The name of your employer. Use their formal name, e.g. “Ford Motor Company” rather than just “Ford.”

The start and end dates of your employment. Just month and year will do – or even just year if you've held each role for a long time. Keep the format consistent, whether you chose “12/2023” or  “Dec 2023” or “December 2023.”

The location. Add the state or country you worked in, unless you've always worked, and will continue to work, locally - in which case location is less important.

When you've laid out this sub-heading, duplicate it for every role so that you have a uniform presentation that looks professional.

Role and responsibilities

Below the sub-heading for every role, you'll need to briefly explain your overall role and responsibilities. You don't need to go into much detail on this – 3 to 4 lines or bullet points should be plenty. The key here is to ensure that someone from outside the company, or someone unfamiliar with the role, can immediately understand what you were employed to do. Quantify whatever information you can, so that the reader can understand the scope of your duties, too.

Achievements

Now we come to the star attraction of your resume work experience section – your achievements! Aim to list a minimum of 3 achievements for every role you've held over the last 10-15 years. Remember, an achievement in this context doesn't mean something personal to you, such as learning to use new computer software. It means a benefit you've delivered to the company.

Start every achievement with a dynamic verb , such as reduced, exceeded, improved, increased, won… the options are endless. Again, quantify everything you can so that the hiring manager can appreciate the impact you've had on the business.

Which work experience is listed first on a resume?

Always write your resume work experience in reverse chronological order – that means your current (or latest) job first, working backwards in time as you go down the page. By doing that, your most recent, high-level, and impressive experience will be the first thing the reader sees.

As you can see, the focus of the resume work experience section here is on the value added to the business. By quantifying the scope of the role and the achievements, it's easy for the reader to understand this person's previous experience and how they can make a positive impact in the role.

How much work experience do I put on my resume?

As you'll have seen above, we recommend using this resume work experience format for all the roles you've held in the last 10-15 years. That doesn't mean any earlier work experience is useless and should be discarded! No, it just means that this level of detail isn't required.

Recruiters are usually most interested in your most recent experience. Earlier roles can simply be summarized in an Early Career section, giving just job title, employer name, and years of employment (you can omit the years, or even your earliest jobs, if you're concerned about age discrimination).

Similarly, if you've held many roles in the last 10-15 years, you may want to change the cut-off point to 8-10 years. A resume is flexible! Its job is to show your suitability for the role, so if you're repeating yourself or adding less relevant information, you can start summarizing sooner – it will benefit both you and your reader. As a general rule of thumb, 4-5 roles in detail is usually plenty.

How to write a resume with no work experience

Everyone has to start somewhere! If you haven't started your first job yet, that doesn't mean you can't write an impressive resume . Consider these options:

Include volunteering. If you've worked in a voluntary position , that's ideal – your resume work experience can relate to both paid and unpaid work. Present your volunteering experience the same way you'd present paid experience, as we outlined above.

Create a skills-based resume. If you have no work experience to add, you can create a skills-based resume. Add sub-headings for your relevant skills, with bullets underneath giving examples of when you've used each skill (preferably outcome-oriented).

Leverage school and college experience. Were you the Captain of a sports team? Secretary of a society? Mentor for other students? Pet-sitter? If you lack professional experience, you can draw from every other area of your life to demonstrate to a hiring manager that you have the experience and attitude to succeed in their vacant position.

If you're worried that the work experience section on your resume is a bit light at the moment, now's the perfect time to get out there and beef it up. Ask neighbors if they need a babysitter, volunteer to tutor younger students, help out the elderly lady across the street – get creative in finding ways to build up this part of your resume!

The work experience section of a resume for students with no work experience could look like this:

How to tailor your resume work experience

Now that you've written your resume work experience section, you're ready to start job-hunting. But wait! Don't just fire off your master resume to every vacant job! You may have spent time perfecting the layout and the wording, but there's one final step before you hit send.

With the job posting in front of you, you'll need to tailor your resume work experience to your target role. What does that mean? Well, go through the advert and highlight the key requirements for the role, then make sure they're reflected back, very clearly, within your resume. Aim to use the exact words you've highlighted, so that your resume pops up when recruiters carry out a keyword search.

For example, you may notice that the role requires someone who can code in C#, but your resume currently states “programming.” Changing that one word to “coding in C#” aligns your resume better with the role requirements. Do this with every point you've highlighted and watch your resume fly to the top of the pile!

Pulling together your resume work experience can be tricky, so we've pulled the most common questions together to make it easier for you.

Do employment gaps on a resume matter?

Employment gaps are a perfectly normal part of life, so embrace the gap! If you've had a break longer than a few months, though, it may help to positively (but briefly) address the gap on your resume. Here are some suggestions on how you could do that:

2020 – 2023 – Planned career break to raise a family

2018 – 2019 – Career break due to redundancy: time spent pursuing an online course and completing home renovations

2023 – 2024 – Career break due to illness: now fully recovered and fit to return to full-time work 

Should I include work experience that's not relevant to my target job?

Sometimes, life can blow you in unexpected directions. If you've had a role that doesn't align with your current career aspirations, it need not be a problem. Consider these suggestions:

Eliminate the role. If taking the role off the resume won't leave a gaping and unexplained hole, you can simply remove it, no questions asked.

Minimize the role. If removing the role would raise unnecessary questions, include it – briefly. Keep the same sub-headings as usual, but don't dedicate more than a line or two to your responsibilities and achievements, just mention the job and move on.

Reframe the role. Rather than focusing on the irrelevant aspects of the role, just write about the transferable parts.

Can you include volunteer experience?

Absolutely! Volunteering is generally very positively viewed. We described above how a student with no work experience can include volunteering on their resume, but what if you have a solid career already? You have four options here:

Use it to cover a gap. Volunteering can be used to cover a gap in your resume if you include it as part of your work experience section. Treat it as you would a paid role.

Create a volunteering section. If your voluntary work uses relevant skills that aren't coming through elsewhere on your resume, create a separate volunteering section, laid out in the same way as the work experience section. While you won't want to go into such great detail, it gives you the opportunity to highlight information that would otherwise go unmentioned.

Add a brief one-liner. If your volunteering doesn't add any relevant skills or experience, but you still want to mention it, you can add a brief line in your Further Details section – that's where you can include any information to support your candidacy that doesn't fit neatly anywhere else – for example, foreign language proficiency.

Ignore it. There's no obligation to include volunteering on your resume, so if you don't think it adds any value, just leave it off!

Can I leave jobs off my resume?

There are certain situations where it's acceptable to leave jobs off your resume. We mentioned irrelevant jobs above, but you may want to leave them off for other reasons. If you held a job back in the eighties, for example, it probably has very little relevance to your career today. A resume is a sales brochure, not a life story, so there's no harm leaving off outdated experience.

What if you were fired, or left on bad terms? Well, ideally a resume wouldn't have an unexplained gap on it, so you can either include it and hope they aren't asked to provide a reference, or you can take it off and find another brief way to explain the gap. The shorter the time in the role, the easier this will be!

Should I put a short-term job on my resume?

It's not unusual to take a stop-gap job to retain an income between permanent roles. Whether you choose to include it on your resume depends on how relevant it is to your current career aspirations. If it's relevant, there's no harm in including it. You could emphasize that it was a “short term contract” or “maternity cover” to pre-empt questions. If it's not relevant, however, you can pick the most suitable option above where we discuss irrelevant work experience.

How can I show a promotion on a resume?

Congratulations on your promotion, it's definitely resume-worthy! A promotion shows that you've performed well and received recognition from your superiors, and that's definitely something a hiring manager will want to know. Make sure that you include the company name within the sub-heading of every role, as that way any reader will be able to trace your progress within the business. 

You may also want to add a line into your achievements section, if there was a particular reason for your promotion – for example, “Achieved selection into a more senior role having reduced customer complaints by 50% in just 6 months.”

How do I list an internship?

An internship can be included just like any other paid, permanent role. Include the same details and focus on the experience you gained and any value you added to the business.

This is impressive to hiring managers when you can show it effectively. If a company liked you well enough that they gave you a promotion or hired you more than once, your resume should make this clear.

Employers are always on the lookout for workers who are in it for the long haul. Finding and training new employees is expensive and time consuming, so hiring someone who doesn’t stick around long can cost the company money. When your resume shows long tenures and multiple roles at past companies, you can assure potential employers that you aren’t a job-hopper.

Just how you should list multiple jobs at the same company, however, depends on your specific career journey. Your resume should tell a story and show how your career has progressed. You need to find the right formatting to leave the reader with a clear idea of how you got to where you are today.

With that in mind, here are 4 strategies for showing multiple positions at one company on your resume.

  • 1. Stack similar job titles together

Sometimes, taking a new position doesn’t mean taking on new obligations. When the different roles you’ve held at a company are very similar, you don’t need to waste space writing the same job description twice.

If this is the case, you shouldn’t create a separate entry in your Work Experience section for each role. Instead, you can stack the job titles together and add your experience and achievements from both roles in a single entry. This single entry can then show your entire history at the company.

How to list multiple positions at the same company on a resume: Stacking job titles

When to stack job titles together

Stack job titles when the jobs in question have identical or similar job descriptions. For example, you may have received a title change with no change in duties, been promoted to a job that increased your authority but didn’t change your day-to-day activities, or been transferred to a different branch office for the same role. In cases like this, describing both jobs would be repetitive.

Stacking job titles works best when you held the jobs one after the other. This way, the dates beside each role are still in order, even though they don’t have individual descriptions. If the jobs weren’t back-to-back—if you worked for a different company in between these jobs, for example—the timeline will be confusing. Only stack job titles when describing consecutive roles.

Further, it’s best not to stack job titles in your resume when you’re applying through an applicant tracking system (ATS). An ATS is a type of software that some employers use to read and sort resumes, and it’s important not to confuse it. When your job titles are stacked together, the ATS may have difficulty understanding which role the description applies to. If you are applying via an ATS, consider writing every job in a separate entry, even when they were at the same company.

In short, stack job titles together when:

  • The jobs were consecutive
  • The job descriptions were similar or the same
  • You were promoted or moved for a good reason
  • You aren’t submitting your resume to an ATS

How to stack multiple positions at the same company

When stacking multiple roles together, add a single heading with the company title, followed by all of the associated job titles in reverse-chronological order. Beneath that, write bullet points describing the responsibilities that apply to all roles. This allows you to efficiently show that you have held different roles without repeating yourself in different job descriptions.

  • At the top of the entry, write the company name
  • Below that, list the relevant job titles and their dates in reverse-chronological order
  • Write a job description that applies to all roles

To make sure your promotion or department change is clear, include a brief explanation in the job description. For example, the first bullet point or sentence in your job description could be:

  • Promoted to Senior Manager within 2 years after successfully leading two large projects.
  • Transferred to a new branch office to introduce new management methodologies.

This way, any questions an employer could have about your move will be answered right away.

The entries can share the same company name heading, but the jobs themselves will need their own dedicated job description. It’s important that your resume reflects the distinct achievements and responsibilities in each position. To do this, create separate entries for each role.

When to use separate entries to list multiple back-to-back positions at the same company

If you’ve been promoted or transferred and the new job is very different from the old one, you will need to write separate job descriptions for each one. A single job description can’t cover all the duties, unlike when you stack similar entries.

When you use separate entries you can choose to list the company name only once, right above the first job. Listing the company name once will save you a line, so it is a useful way to save space on your resume. Remember that if you only list the company name once, the jobs have to be sequential. If you worked for a different company in between jobs, both roles should give the company name.

Using separate entries is better than using stacked job titles when you’re applying through an ATS. Applicant tracking systems will find it easier to read your resume when each company name and job title is right above the relevant job description.

In short, use separate entries that share a single company heading when:

  • The jobs you held at the one company had different duties
  • The jobs you held at the same company were consecutive
  • You are applying through an ATS

How to list back-to-back positions at the same company using separate entries

When you list multiple positions at the same company on a resume using separate entries, they will look similar to the roles in other companies. The only difference is when the jobs are all back-to-back you can omit the company name from the older roles.

Use a single heading for the name of the company, with a job title and bullet points for each position below it. Arrange the roles in reverse-chronological order, and in each job description focus on the distinct accomplishments you achieved in that role. This will show that you have been successful in different contexts at the company.

To list multiple positions at the same company in separate entries:

  • Give the company name once
  • Below that, list the previous jobs at that organization in reverse-chronological order, including dates and descriptions

If you were promoted, be sure to draw attention to the promotion in the description of the most recent position. Promotions show that the company appreciated your work and trusted you with greater responsibilities.

No one’s career path is a straight line. Many people, especially those who work in the same industry for most or all of their career, will one day find themselves back at a company that they had left years before. If this is the case for you, your best bet is to simply list the two roles separately in your work history as though they were any other job, giving the name of the company each time.

When to list multiple jobs at the same company in separate entries non-consecutively

The only time it will be necessary to list the same company more than once non-consecutively is, appropriately, when you have held jobs with the same company more than once non-consecutively. If you work for one company, leave it for a different company, then return to the original company, you should list the jobs in the order they occurred.

How to list multiple jobs at the same company on your resume when they weren’t back-to-back

To list multiple jobs at the same company on your resume when they weren’t back-to-back, simply list them in the order they happened. Include the company title and job title in all instances. Items in your Work Experience section should be listed in reverse-chronological order, so the jobs will fit in alongside all the others.

In the most recent role, you can write a bullet point explaining why you returned to an old company. This is a good opportunity to highlight the skills or expertise that the company wants you for. If you were so good that they wanted you back, you should make a point of saying so!

Using a separate section for one company with many positions is best for older professionals with decades of experience, with work experience from a company that dates back several years. There should be enough roles at the former company to justify a distinct section.

This method can also be useful for people who have changed careers. Using a separate section for past jobs that aren’t as relevant to your current vocation is a good way to save space on your resume and tell your career story.

Ideally, all of your positions at a past company can be listed in reverse-chronological order. This means that you held them all in sequence, with no roles at any other company. If not, you may want to consider writing a functional resume , which can help you list past roles out of order (although most employers prefer reverse-chronological resumes).

How to use a separate section to list multiple positions at the same company.

To list all positions at one company in a distinct resume section, create two different sections for your Work History: one with all your jobs at a particular company, and one with the rest of your experience.

To do this, create a section separate from the rest of your work history. You can title the section with the name of the company, or give it a heading like “Previous Experience.” Then, within the section, list all of your job titles at that company in reverse-chronological order.

You can add descriptions to each job if necessary, but if these roles are from years ago and you have more current roles to highlight, you can leave those out. This efficiently showcases all of your previous roles and tells a clear story of how you worked your way through the company, while leaving room on your resume for more important details when you describe more recent positions.

Writing a resume involves using the proper formatting, writing an introduction, and adding your work experience and education. Stuffing your entire professional life into a single page resume can feel overwhelming, but remember that you’re distilling the relevant parts of your professional experience in order to catch the eye of the recruiter .

Formatting your resume. To start, use a word processor such as Microsoft Word or Google docs. Standard resume formatting calls for:

A professional, commonly-used font

Additionally, there are three resume formats that are commonly used. Most people should stick with a chronological resume format , but the combination resume format and functional resume format can be effective for more advanced workers or those who have significant gaps in their resume.

Write a resume header . It doesn’t matter if you have the best resume in the world if the hiring manager can’t contact you. Every single resume should include the following contact information:

Your full name. First and last.

Your phone number. Use a personal phone number, and make sure your voicemail is set up properly.

Your email address. Nothing inappropriate — [email protected] is a safe choice.

Location. City, State, Zip Code is fine, but you can include your full mailing address if you think it’s appropriate.

Your social media (optional). LinkedIn is the obvious one you’d want to include, but make sure your profile looks good. If you have an online portfolio , either on a personal blog/website or on a site like Journo Portfolio , feel free to include that here as well.

Your job title. Also optional, but can be useful for applicant tracking systems.

Resume introduction. You have four options for your resume introduction: a resume objective, summary statement, resume profile, or qualifications summary. For most job-seekers, a resume summary statement is the best choice. Regardless of which resume introduction you choose, avoid first-person pronouns (I/me/my).

Resume objective. A resume objective is the goal of your resume. Since the objective of every resume is to land a job, this is not the most original or impressive opener you can have.

On the other hand, it’s a good choice for an entry-level applicant or someone who is changing career paths . This should be a 1-3 sentence summary of why you’re motivated to get the position you’re applying for.

Who should use a resume objective: Entry-level applicants, career-changers, and recent college graduates.

Resume summary. This is the best opener for most job-seekers. As the name suggests, a resume summary highlights the most salient aspects of your resume.

It should include your current position, how many years of experience you have, some of your biggest achievements, and possibly your career goals. This should be a 1-3 sentence spiel and should include some quantifiable experiences.

Who should use a resume summary: Most job seekers; anyone with quantifiable accomplishments to emphasize and a broad range of skills.

Qualifications summary. A bullet point list (4-6 points is the sweet spot) of your qualifications for the position. It’s best used by applicants going for jobs that require a fixed skill set. It’s not a great choice for entry-level applicants who lack quantifiable achievements.

You’ll notice that a qualifications summary takes up more space than a resume objective or summary, but it can actually save the hiring manager time if you provide a bunch of valuable information right off the top.

Who should use a qualifications summary: Those applying to a job with requirements for certain skills and job-seekers who have a lot of experience in their industry and/or field.

Resume profile. A resume profile is similar to a resume summary, but goes into more detail about your accomplishments at your current or former job, while also telling the reader about your career goals. Think of a resume profile as a section that pulls all the best parts of your work experience section into one place.

Who should use a resume profile: Anyone with significant accomplishments under their belt, expertise in a niche field, or applying to a job in the same industry that they have lots of experience in.

Resume headline. Resume headlines aren’t necessary, but you can include one alongside any of the four types of resume introduction listed above. A resume headline comes between your contact information and the resume introduction of your choice.

Headlines can be used by entry-level applicants and experienced job-seekers alike. The important point is that your headline should be short and to the point. Additionally, you should use title case when writing your resume headline (capitalize words as you would for a book title).

Who should use a resume headline: Any job-seeker who wants to showcase their experience or unique value right off the bat.

Work experience. Your work experience section is the place to let hiring managers know that you have relevant experience that would allow you to handle the job you’re applying for.

If you’re using the chronological resume format, your work experience section would come after your resume summary/objective. In a funcitonal reumse, it would follow your skills section. Either way, work experience should be listed in reverse-chronological order (most recent experience at the top).

When listing your work experience, you should include all of the following information:

Job title. Start by stating the position you held at the company. These are easy cue for the hiring manager to look at and determine whether your past positions would help you succeed at their company.

Company Info. Include the name of the employer, the location where you worked, and perhaps a brief description of the company, if it isn’t a well-known name.

Dates Employed: Use the mm/yyyy format if you want to be sure that most applicant tracking systems (ATS) will pick it up. Whatever format you use for dates, be consistent, or your resume will look sloppy.

Job Description. Don’t just list your job’s responsibilities; hiring managers and recruiters already have an idea of your duties based on the job title. Instead, list your most important and impressive responsibilities/achievements at the job with bullet points. Determine which of these are most relevant for your new role based on the job description.

Ideally, each bullet should be no longer than a single line. However, two lines is acceptable, if used sparingly.

Always start with a strong action verb, followed by a quantifiable achievement and a specific duty. For example: “Developed ad campaigns for clients, increasing sales by an average of 27%.” Each job title should include 3-5 bullet points.

The order that you include this information can be changed around, as long as you are consistent throughout your resume. However, the bullet points detailing your job’s achievements should always be the last item for each entry.

It’s important that you tailor your resume’s work experience section to the job you’re applying for. We recommend reading the job description carefully and highlighting the action verbs in one color and the skills, adjectives, and job-specific nouns in a different color.

Educational background. In almost all cases, your education section should come after your professional history. If you’re a recent college graduate with limited work experience, you may choose to put your educational achievements first.

Like the section on your professional history, educational experiences should come in reverse-chronological order, with your highest level of education at the top. If you have a college degree, you don’t need to add any information about your high school experience. If you didn’t finish college, it’s okay to give a list of what credits you did complete.

Each educational experience can be listed in the following format:

You don’t need to add anything else, especially if your resume is already impressive enough. But if you’re struggling to fill up the page, or you feel that aspects of your educational experience will help make you a standout, you may consider also including:

Minor. If you think it rounds out your not-exactly-relevant-to-the-job major nicely.

GPA. Only if it was 3.5 or higher. Otherwise, it’s not going to do you any favors to include this.

Honors. Dean’s List, Cum Laude, etc.

Achievements. If you wrote a killer thesis/dissertation that showcases intimate knowledge relevant to the job to which you’re applying, you can include its title and a very brief description.

Extracurricular activities. Only include if they’re relevant. For example, if you’re applying for a management position and you were president of your student government.

Certifications/Licenses. If the job you’re applying for requires/likes to see certain certifications or licenses that you have, you may include them in this section as well.

Skills section. Your impressive skills should be scattered logistically throughout your professional history section, but you should also include a section solely dedicated to highlighting your skill set . Skills can be broken down into two categories:

Hard skills are skills you learn through training and indicate expertise with a technical ability or job-specific responsibility.

Soft skills are your personality traits, interpersonal abilities, and intangible qualities that make you more effective at your job.

Your resume should have a healthy mix of hard and soft skills, as both are essential to job performance. However, since soft skills are harder to prove in the context of a resume, we recommend leaning more toward hard skills. Additionally, whenever you list a soft skill, make sure that it has a correlating item in your work experience section.

For example, if you say you are skilled in collaboration, you should mention a time when a team project was a major success somewhere in your work experience section.

Optional sections. If you still have space left or there’s more you want to show off that doesn’t quite fit in any of the above sections, you may consider adding an additional section covering one or more of the below categories:

Language . Being bilingual is always impressive, and can be included on a resume for any company. Highlight this more if your position involves liaising with international distributors and/or clients. Don’t lie about your proficiency level.

It may be best to not mention it if you’re not particularly proficient speaker . Such as if you took courses in school, or haven’t really managed to gain fluency. It can end up looking like an attempt to inflate your credentials, which you want to avoid.

Volunteer experience . Always a good thing to include. It shows you’re a team player who behaves in a way that promotes the greater good, without thought of personal gain. Especially good for entry-level candidates and those applying for jobs at a non-profit. If you have gaps in your work history, you can also consider including volunteer experiences in your work history section instead.

Personal projects. A personal blog, published works, or a portfolio of your past projects are all good things to include. They show you take initiative, enjoy and take pride in your work, and that you can handle the responsibilities of the job, if relevant.

Certifications/licenses. If you didn’t include these in your education section, this is another good place to list relevant certifications or licenses that you have.

Interests . This is largely just a space filler if your resume is light in other areas. However, if your hobbies are directly related to the job that you’re applying for, it’s not a bad idea to include them. And it might draw a recruiter’s attention if you end up sharing some of the same interests as they do.

If you have several seemingly random items that are valuable, but don’t warrant creating a whole separate section for, you can also make a section called “Additional Experience.” Here you can include all of the above categories in one place. Just make sure that each item is clear and easy for readers to understand.

If you have years of experience in a specific area of work, you may have worked several similar job positions, but for different employers. If you find yourself in this position while searching for a new job, you might find yourself thinking “is it worth it to include this work history on my resume?” Although the job titles are the same, some of the responsibilities or required skills may differ. Draw attention to these differences as you create your resume to stand out to a hiring manager or recruiter during your job search.

What Not to Do

Do not simply write that you have worked the same position for several different employers. Potential employers know that no job responsibilities or tasks are the same despite the title of the position. Do not leave out employer’s names or overall positions because you think you are repeating information by outlining your past work experience.

Resume Format

Present your past employment positions on your job application as you would if they were all different roles. Start by listing the name of the previous roles you had in the work experience section, even if it is the same for each position. State the employer’s name or company name followed by the time of employment in reverse chronological order, with your most recent position at the top. Put “current” instead of an end date if you are still working in a position. Provide three to five different relevant job description bullet points under each employer. This is where job seekers can make each past job stand out as individually different. For example, do not simply write that you served customers and completed transactions in a cashier’s position for a clothing store. Instead, focus on the smaller tasks such as finding the proper sizes, ensuring the visit was enjoyable and providing fast and effective transactions.

Do not view it as a weakness that you have worked the same position for several different companies or employers. Instead, see it as an opportunity for you to build on your skills and expertise within a given field of work. Once the short list of different responsibilities and tasks has been completed for each employer, expand your skills and abilities on your resume. Highlight even the smallest job duties.

For example, do not simply write that you controlled and protected an area if you have worked as a security guard. Include key achievements and initiatives such as answered customer questions, provided additional assistance where needed, analyzed television screens, repaired security cameras, wrote incident reports and fixed faulty software programs. Make sure to include any promotions and lateral moves within previous jobs to highlight your dedication and versatility.

Cover Letter Content

The employer is able to see your experience in the given job field, so use the cover letter to explain why this type of job is enjoyable for you. Explain your passion and genuine interest, so the employer understands your reasoning for working the same type of job for different employers. If you are looking for a career change, focus on how your different positions inspired and contributed to that desire.

Because of how early it appears on the document, your resume summary statement (or your CV “profile” in the UK) is one of the first places recruiters and employers look. And without the right information, they’ll doubt that you’re qualified and may move to another resume.

Why the Resume/CV Summary is Important

You may have heard that recruiters only spend 8-10 seconds looking at your resume. The truth is: they spend that long deciding whether to read more. They do glance that quickly at first and may move on if your background doesn’t look like a fit. However, if you grab their attention, they’ll read far more. Recruiters aren’t deciding to interview you in 8-10 seconds, but they are ruling people out in 8-10 seconds. And this is why your resume summary is so crucial. It appears high up on your resume (usually right after your header/contact info) and is one of the first sections employers see. So it’s part of what they’ll see in the first 8-10 seconds.

Your resume summary statement is one of your first (and one of very few) chances to get the employer to stop skimming through their pile of resumes and focus on YOU.

These career summary examples will help you at any experience level – whether you’re writing a professional summary after a long executive career, or writing your first resume summary without any experience! After you finish this article you’re NEVER going to have to send out a limp, weak resume summary statement again (and you’ll get far more interviews  because of it).

1. Healthcare Sales Executive Resume Summary Example:

Why this resume summary is good:

This resumes summary example’s strength lies in the detailed, unique information that has been included. By including revenue stats, names of past employers and partners, the reader right away sees that this person will bring to the role a strong networking ability with key players in his industry, and more importantly can build, grow and revitalize a sales organization, market or product.

In addition, we highlighted the skills she has honed as a business owner so that she can utilize these qualifications as a sales professional, account manager , and someone knowledgeable about nutrition, medicine, and the overall sales process.

This summary is well-written, short, sharp, and gives recruiters a high-level explanation of the candidate’s core offerings in a persuasive and punchy style. A quick scan of this profile tells you the exact type of social media platforms the candidate is an expert in, as well as the campaigns they have experience running and types of organizations they have worked for. Most importantly, the summary is rounded off by showing the results that this person achieves for their employers, such as increased web traffic and conversions.

Editor’s note: This CV profile summary was written for the UK market… this is a great one to use/copy, but make sure you put it through a spell-checker if you’re applying for jobs in the US (utilisation vs. utilization, etc.)

The applicant was applying for a warehouse supervisor position that required them to have demonstrated management, customer service and forklift experience. As such, the applicant showcased their experience in these areas with a few keywords in the title, followed by additional details in the accompanying bullet points. Their final bullet shows a record of promotions, while reinforcing the applicant’s customer service and project management skills.

7. IT Project Manager Resume Summary Example:

Experienced Project Manager with vast IT experience. Skills include computer networking, analytical thinking and creative problem solving. Able to apply customer service concepts to IT to improve user experience for clients, employees and administration.

Because this candidate is switching career paths, it’s important he or she take skills used for previous positions and apply those skills to the new job listing. This is a great example because the candidate makes it clear that his or her experience is not in the new field, but that they are still able to bring relevant experience to the table. When writing your resume summary, keep these tips in mind: Use writing that is straight to the point, clear and concise, you’ll have a higher chance of getting noticed by the hiring manager.

Although a bit longer than a traditional summary, its strength lies in the details. Without ever getting to the experience section, the reader gets a clear idea of the scope of responsibility, and hard and soft skills the candidate brings to the table.

“Project Manager” is one of those job titles that’s REALLY broad. You can find project managers earning $50K, and others earning $250K. So this resume profile section shows her level and experience, and the wide array of areas she has responsibility for in her current work. How to Write a Resume Summary: Steps and Hints

We’ve looked at 10 great resume summary examples above. As you begin writing a resume summary for yourself, here are some helpful tips to keep in mind:

  • Read the employer’s job description. Your career summary shouldn’t be a long list of everything you’ve done; it should be a refined list of skills and experiences that demonstrate you’re a fit for their job.
  • Mention your current job title if relevant. One common way to begin your resume summary is to state your current job title.
  • Explain how you can help employers achieve their goals or solve their problems.
  • Consider using bold text to emphasize one or two key phrases.
  • Include any relevant metrics and data like dollar amounts, years of experience, size of teams led, etc. This helps your resume stand out.
  • Focus on making the employer want to read more. The goal of your resume summary isn’t to show everything you can do, but to grab their attention and show enough that they continue reading.

Creating a Customized Resume Summary

While general summaries are appropriate when applying for jobs requiring similar skills and experience, a customized resume summary can enhance your chances of moving on to the next step in the hiring process. 

That’s because most companies use automated tracking systems (ATS) to review submitted resumes for content directly related to the job posting. If you use keywords and natural language phrases in your summary that interlink to the job description, you’ll have a much higher chance of passing the ATS review.

Let’s look at an example of a resume summary that is customized for the specific job description below:

Social Media Specialist Job posting

“Highly motivated social media specialist with strong project management skills. Creative marketer skilled in crafting innovative social media campaigns that resonate with a target audience. Regularly develop compelling copy and social media content to enhance lead generation and brand awareness. Detail-oriented with extensive project management skills that ensure proper prioritization of tasks and projects. Work with various social media management and analytics tools to examine results and make adjustments as necessary.”

This summary directly addresses the key points in the job description but rewrites them so the customization is natural and flows well. It’s personalized for the open role and uses similar terms with a few strategically placed keywords, such as “social media content” and “project management.”  

How Long Should a Resume Summary Be?

As you read the resume summaries above, you probably noticed there are some short single-paragraph resume summary examples and much longer career summaries that are two to three paragraphs plus bullet points. So how long should YOUR professional summary be? If you have relevant work experience, keep your summary to one or two paragraphs. The piece you really want the hiring manager to read is your most recent work experience (and you should make sure you tailored that info to fit the job description). The resume summary is just a “bridge” to get the hiring manager into your experience.

If I were writing my own career summary right now, I’d likely use one single paragraph packed with skills, accomplishments, and exactly why I’m ready to step into the job I’ve applied for and be successful!

Even for a manager resume summary, I recommend a very short length. However, if you’re changing careers, or you’re looking for jobs without any work experience , the summary section needs to stand on its own, and should be longer. That’s why some examples above are a bit longer.

Formatting Your Resume/CV Career Summary

You may have noticed a variety of different formats in the career summary examples above. There isn’t one “right” way to format this section on your resume or CV. However, I recommend either using one or two brief paragraphs, or combining a short sentence or paragraph with bullets. Avoid writing three or four long paragraphs with no special formatting like bullet points. That’s simply too much text for your summary section and will cause recruiters and hiring managers to skip over it in some cases.

Should You Include a Resume Objective?

You do not need to include an objective on your resume, and doing so can make your resume appear outdated. Use a resume summary instead of an objective. Follow the resume summary examples above and focus on discussing your skills, qualifications, and achievements, rather than stating your objective. Employers know that your objective is to obtain the position you’ve applied for, and the resume objective has no place on a modern resume/CV in today’s job market.

Examples of Bad Resume Summaries

Now that we’ve seen a few exemplary resume summaries, let’s look at some that you should avoid at all cost.

1. Typos and Grammatical Errors

“Experienced cashier who knows how to run the register cash. Responsible with the money and can talk with the customer. Knows when to stoc up the invenory and checks it all the time. Can count change and run credit card tranactions. Get the customer happy by good service. I am always cheerful and organized.”

Why this resume summary is bad:

If you read the summary carefully, you’ll notice several spelling errors. The words “stock,” “inventory,” and “transactions” are all spelled wrong. Grammatical errors make the summary choppy and difficult to follow (“Get the customer happy by good service”).  A summary like this probably won’t fly with a company looking for a detail-oriented cashier responsible for managing in-person sales.

2. Lacks Relevant Keywords

“Talented worker with experience managing a team of staff. Creative and responsible with knowledge of organizational processes. Can keep up with the busiest of environments. Stays focused when at work, ensuring prompt task completion. Dependable and willing to collaborate with a team to get things done.”  

In this example, the chef doesn’t use keywords relevant to cooking, restaurants, or kitchens. The summary is very generic and can apply to nearly any job. A manager who receives the application isn’t likely to understand what value the candidate can bring to the restaurant.  To fix the summary, the applicant must rewrite it to include relevant keywords and phrases. 

3. No Numbers to Quantify Achievements

“An experienced and hardworking manager ready to align procedures for maximum revenue and profits. Proven track record of streamlining and strengthening processes, resulting in higher sales and better customer satisfaction. Collaborate well with sales team members, ensuring they have the resources and knowledge to support customer purchases and inquiries. Develop strong rapport with clients and maintain ongoing relationships.”

This isn’t a terrible summary for a sales manager, but it has room for improvement. For one, the first two sentences essentially duplicate each other, mentioning an aptitude for improving processes with the objective of higher sales. The other issue is a lack of quantifying achievements. 

The applicant mentions they have a proven record of increasing sales, but they could strengthen the summary by quantifying their results. For example, they might say, “Proven track record of streamlining and strengthening processes, resulting in a 25% increase in sales over the past year.” The quantifier provides additional credibility. 

4. Not Targeting the Specific Job

“Looking for work in a role that requires great customer service, project management, and communication skills. Able to collaborate with people from diverse and varying backgrounds. Highly organized and reliable worker with a strong work ethic. Responsible and reliable worker you can count on.”

While the candidate lists various skills they have, including customer service and project management, there’s no indication of prior roles held or what position they’re applying for. The summary could apply to numerous positions in a variety of industries. To improve the resume summary, the applicant must specify the job they’re applying for and indicate their prior experience in a similar role, if they have any.

After You Start Getting Interviews, Make Sure to Take Advantage…

If you follow the advice above, you’ll have a great professional resume summary to make your qualifications stand out to employers. But landing the interview is only half the battle… So make sure you go into every interview ready to convince employers that they should hire you, too! If you write a great resume summary example that gets employers excited to interview you, they’re going to ask you questions like, “tell me about yourself” early in the interview to learn more about your background. So make sure you’re prepared with an answer.

Dear Biron,, Thanks for sharing the 10 examples of professional summaries in your article, and especially the reasons why they were considered to be good. However, as a HR professional, I would most likely skip over most of them and would not read much past the first or second sentence. The summaries were mostly too wordy and boring, and did not demonstrate ‘oomph’ at first cursory reading. Simply indicating certain skills or behaviors does not give an idea of the level of expertise, and could simply be wishful thinking on the part of the resume writer.

Just goes to show that there are many ways to see what makes a good summary.

I’d put your work history in chronological order, starting with the most recent up top. That’s what I’d recommend for 95% of people actually. Then it doesn’t matter where you held each job.

What if you have work experience, but the job your going for(teachingeducation) has nothing to do with warehouse work? How should I build my resume?

In the summary, describe yourself and then say, “…looking to transition into ___” (the type of work you want to be doing now).

This is a bit like a resume “Objective”. I normally don’t recommend an Objective section (and I recommend a Summary section instead), however the one time an Objective does make sense is when you’re trying to change industries or make a big change in the type of role you have.

So that’s why my advice here might seem like I’m telling you to combine an Objective with your resume Summary.

Then “tailor” your previous work to be as relevant as possible. Even if you worked in a different industry you can still show things like leadership, accountability, progress/improvement, hard work, achieving goals, strong teamwork skills, etc. You can do all of that in your resume bullets and work history.

Great question. If you don’t have any work experience, take one of the formats/examples above and put your accomplishments and qualifications from your academic studies.

Your headline could say: “Motivated Bio-Sciences Graduate With Expertise in ____”.

And then you might talk about accomplishments in school, group projects you worked on or led, etc.

Basically, when you have no work experience, your school/studies BECOMES your recent work. You should talk about that like it’s a job, because that’s the experience you do have.

Hi Dorothy, I can recommend a professional resume writer if you want. But they’re typically not cheap, so it’s something you’d have to be willing to invest in. If not, there’s a lot of free info online about how to “tailor” your resume for specific jobs. I can’t help one-on-one unfortunately, but I’d recommend thinking about which type of jobs you want, and think of what experience you have that is most relevant. that’s what to put on your resume. Your resume isn’t only about you, it’s about them – what do they want/need? (if you want to get a ton of interviews, that’s how to do it :) ).

I think it’s okay to use something similar. I might be more brief in the cover letter… it needs to be about them just as much as it’s about you. Whereas the resume is all about you, at least in the summary section. (The later sections should still be tailored to THEIR needs..)

I rarely like functional resumes, but it might be worth trying. I’d “split-test” it (a marketing term). Create two resume styles, send out 50% one way, 50% the other way, and track results for a week.
