The critical element that makes a WhatsApp Group special is that everybody can chat in the group. Therefore, the best time to use a WhatsApp Group is when you are looking to get input from everybody.

In our experience, we've seen two situations when WhatsApp can be useful in business or if you have profitable online business ideas . When you're working with a client, and you need multiple team members to be involved in the chat.

Alternatively, when you are working on a project internally that requires many conversations, you want to make sure everyone on the team is on the same page.

Open a WhatsApp Group With An Important Client

The beauty of a WhatsApp Group with a client is that it makes it easy to deliver timely and authentic conversations. It allows you to give your customers a super personalized level of support and builds the relationship.

WhatsApp Groups tend to make communication quicker. It's easy to ignore an email that comes in at 8 pm, but chats are a lot easier to deal with. Sometimes a client is fighting a deadline and they need to know how to do something right away. Responding to a chat is the ideal solution.

If you have too many WhatsApp Groups they can be challenging to manage. With a problematic client, sometimes even one WhatsApp Group can be challenging to manage.

On the flip side, an excessive number of messages can harm your client rather than improve their experience. The most important thing about WhatsApp Groups is that you create them sparingly. Ideally, only for your most important clients.

Create a WhatsApp Group Chat Marketing Campaign

Agent Provocateur used WhatsApp Groups for their The Ménage à Trois Campaign. The lingerie brand used WhatsApp Groups to help women decide which lingerie was best from their "Naughty or Nice" Christmas collection.

Customers were encouraged to start a group chat with their partners, and an Agent Provocateur Agent to help them decide which items from their shop best matched their personality.

Agent Provocateur used WhatsApp Groups for their The Ménage à Trois Campaign. The lingerie brand used WhatsApp group to help women decide which lingerie was best from their "Naughty or Nice" Christmas collection.

In short, this WhatsApp marketing campaign was a massive success in the UK - 112 conversations took place in the app, 31% of the chats resulted in physical store visits, and 61% of the chats converted into substantial website traffic.

Setting Up WhatsApp Groups

In this section, you'll learn how to create a WhatsApp Group and edit WhatsApp Group Names, how to change WhatsApp Group privacy settings, and how to join WhatsApp Group.

How to Create a WhatsApp Group & Edit WhatsApp Group Names

Creating a WhatsApp Group is simple. To begin, press the three dots in the top right corner. Then, select New Group and select the people you would like to add to the group.

The next step is to add a WhatsApp Group Name, and you're done. Can you change WhatsApp Group Names? Yes, simply go to Settings and click on the pencil icon. Then, enter your new WhatsApp Group Name. At this stage, you can also add a profile picture for your business or simply use an online logo maker to create one if don’t have it yet.

If you can’t add certain contacts to a WhatsApp Group, chances are they’ve turned on WhatsApp Group Privacy Controls.

How to Change WhatsApp Group Privacy Settings

WhatsApp has recently introduced new group privacy controls which let you limit who can add you to WhatsApp Groups. To access WhatsApp Group privacy settings, go to the Account options within the settings menu.

Then, click on Privacy and select Groups. Here, you’ll be able to select who exactly can add you to a group. There are 3 options - Everyone, My Contacts and My Contacts Except.

If your contacts have restricted who can add them to WhatsApp Groups and you are not in their address book, you can add them privately by sending a temporary a time-limited link. Remember, the invite link will expire after 3 days.

Once the link has expired, you can still invite contacts by sharing a WhatsApp Group Link or WhatsApp QR Code.

How to Join WhatsApp Group With a WhatsApp Group Link & WhatsApp QR Code

Inviting users via link is a handy feature if you're using your WhatsApp Group for reporting something. You could post the link somewhere on your work’s internal website or share it in another group. With the invite link, anyone who uses it can join the group.

Unlike the time-limited invite link, WhatsApp Group Link will not expire. If the group is no longer used, you'll be able to revoke the link later so no new contacts can join your WhatsApp Group.

To create an invite link open the actions menu on the top right and enter the group info panel. Then scroll down to participants and click Invite via link button. In the invite link panel, you'll have a few options with how to share the link.

You may also generate a WhatsApp QR Code for your WhatsApp Group. If you share this group QR Code with someone, they can join the WhatsApp Group by scanning it with their WhatsApp camera.

Managing WhatsApp Groups

There is a chance that your WhatsApp Group may get out of hand. Not to fear! WhatsApp has provided some tools you can use to manage your WhatsApp Group.

WhatsApp Groups Organization Features

In a WhatsApp Group, especially if you're dealing with a high volume of messages, it is critical to stay organized. WhatsApp Groups have three features that can help you with this.

WhatsApp Group: Group Description

The Group Description will do its part to help you, and everyone else in the group stays on track. To see the group description, people will need to click on Group Info.

To create a group description, you'll need to go to the action menu on the top right. Navigate to group info, then click on the description. As long as you have permission to edit the group info, you'll be able to do so here.

WhatsApp Group: Search

Search helps to find information that was sent hundreds of messages ago. Once you press search, you'll be able to search for text.

The beauty of WhatsApp search is that it will search in reverse chronological order, so you'll be able to start with chats that mention your search term recently and go back in time to older conversations that mention the same text.

To search through your WhatsApp Group, you'll need to go the action menu on the top right and press search.

Once you're in the search interface, you can type some text then press the search button on the bottom right to find. The up and down arrows on the top right will let you move up and down the conversation where your search term appears.

WhatsApp Group: Group Media

Remember that pdf that someone sent you six months ago? You have no idea what the name of it was? Group media can help you with that.

Group Media can be extremely useful in a chat that has lasted thousands of messages. It will separate documents or even those super hard to find links that someone shared with you ages ago and give them to you in a nice list.

To check out your group media, open the action menu on the top right, and select group media. There, you can move between media, documents, and links. Here you'll find all the documents and links shared in the conversation. With links you can even go back to the part of the conversation where the link was sent.

WhatsApp Groups Productivity Features: WhatsApp Group Call

Some of the least known features about WhatsApp Groups are WhatsApp Group Call and WhatsApp Group Video Call. Sometimes, a group call is just what you need to figure things out. Did you know you can video call with up to 8 people in a WhatsApp Group?

To start a call, press the phone + icon at the top of your WhatsApp Group. Once pressed, you can select your participants at the bottom of the screen and choose between a voice call or a video call.

WhatsApp Groups Permissions Settings

Sometimes it's not enough to have one person manage the group. Perhaps the person who created the group is not that active anymore and you need someone else to add and remove people from the group. To help achieve this WhatsApp has quite a few permissions settings.

How to Add and Remove WhatsApp Group Admin

Edit Group Admins allows an admin to add and remove other WhatsApp Group Admins from the group. To access the admin settings you open the action menu on the top right and open group info. Once there, you can open group settings then edit group admins.

Admins can enable or disable the abilities of regular group members to edit group info and send messages.

How to Edit WhatsApp Group Participant Privileges

Edit Group Info allows you to take away privileges from regular group members. By default, everyone can edit the group info. This setting allows you to make it so that only admins can edit the group info.

To access this setting open the action menu on the top right and open group info. Once there you can open group settings and then edit group info.

Send messages allows you to take away the messages privileges from regular group members. In a way, this turns your WhatsApp Group into something akin to a telegram channel. Just a way for admins to share information to everyone in the group.

To access this setting open the action menu on the top right and open group info. Once there you can open group settings then send messages.

WhatsApp Groups Sanity Features: Delete & Mute WhatsApp Group

We're calling these features the sanity features because they help you stay sane. For those that have had tons of WhatsApp Groups before, you know the pain of a group that has a new message every 10 seconds or so.

How to Leave WhatsApp Group

If you have a WhatsApp Group that is blowing up, you have the option to leave the group. Simply press the three dots in the top right > More > Exit Group. Alternatively, tap on the WhatsApp Group Name. Then click Exit Group > Exit.

You'll be removed from the group if you exit a group, but you can still see the group in your Chats tab & you can read the chat history. If you are the only WhatsApp Group Admin, a new admin will be chosen at random.

How to Delete WhatsApp Group

You can delete a WhatsApp Group once you’ve left. Keep in mind, the chat history will be erased when you delete the group and the group will no longer show up in the Chats tab.

To delete a WhatsApp Group, tap on the group name, tap Delete Group > Delete. If you want to delete the group media, check the Delete Media In This Chat box.

How to Mute WhatsApp Groups

Mute Notifications allows you to take a break from a WhatsApp Group for a while but not leaving it for good. You can mute notifications for any WhatsApp Group for 8 hours, one day or forever.

One unusual item though is that there is a checkbox where you can press show notifications. Why would you want to show notifications if you are muting notifications?

This picture shows how to mute notifications in a WhatsApp Group. Mute Notifications allows you to mute notifications for any WhatsApp Group for 8 hours, one day or one week. This feature is excellent if you have one group that is blowing up and you need a break from it for a while.

When clicking that option, you'll be able to see that WhatsApp app icon in your top bar, when there is an unread message, but you will not see the popup notification of what the message is as usual.

To mute notifications open the action menu on the top right, then press mute notifications. Then you'll be able to select how long you want to mute the notifications for. To unmute notifications, you can go back to the same menu.

How to Set Up WhatsApp Group Custom Notifications

Custom Notifications are the exact opposite of muting notifications. Instead of muting the group, this setting will allow you to create a special notification so that you can easily separate which WhatsApp Group requires your attention.

This can be useful when you have many conversations or groups in your WhatsApp, and you need to be able to give special attention to one WhatsApp Group or a few WhatsApp Groups.

To create a custom notification, open the action menu in the top right, open group info, then select custom notifications. There you will be able to choose a custom ring tone, a long or short vibration pattern, and the color of your notification light.

Adding a Shortcut to your home screen is another way of giving this WhatsApp Group priority over others. This is something you can do if your WhatsApp App is completely cluttered with conversations, and you'd like to get quick access to some groups.

To create a shortcut to the WhatsApp Group open the action menu in the top right, press more, then select Add shortcut. Then you'll be asked where you would like to place the shortcut on your panel(s).

And there you have it. Communicating with multiple participants at the same time is easy with WhatsApp groups, but it might not be the most effective strategy for marketing or announcements at scale.

In that case, you’d want to check out WhatsApp broadcasts with WhatsApp API . With the right tools for your use case, using WhatsApp can take your customer conversations to the next level.

With schools switching to an online method of teaching for the rest of the semester, how will students finish their group projects and assignments? 

Many tools are available to help students collaborate from the comfort and safety of their homes during these critical times. The most important factor in group work, especially online, is laying the groundwork early. Base each person’s group role and responsibility with the skills they possess and assign these at the start. Then identify which tasks need to be completed and in what order. 

Moreover, communication is especially important when completing group projects online. So, decide when and how you will all communicate! Create a comfortable forum where you all can discuss the project. Many apps can assist with this:

Google Drive

Of course, the most popular way to communicate is on the actual Google Doc, Sheet, Powerpoint, etc, which is possible while using Google Drive . Each student can view and edit the working document or presentation, add and resolve comments, and open a conversation chat with group members. It’s a great way to view what’s happening on the project as it’s currently happening. 

If you find yourself in a large group, Whatsapp is an application that can be used for mass chats. This tool allows a communication forum between all group members, so you can decide on task assignments, internal deadlines, and concept adjustments.

Keep track of how everyone is doing. Basically, Slack helps your group to stay on the same page. Slack is free with available voice and video calls between group mates. It’s a great way to officially assign tasks to group members that they need to ‘complete’ by a certain day. Additionally, there is the option of opening a large group chat between members and re-assigning tasks to different people. It also integrates important apps like Google Drive and Office 365, which students use.

If your group would rather discuss things over video chats, try Skype or Microsoft Teams Meeting . Coordinate times for everyone to join the chat and have a group discussion to answer important questions for group projects and assignments. What is the theme? The overall task? And who will be assigned each part?

This is the last resort. Most people are on Instagram these days. Therefore, setting up a group DM might be the best place to begin group discussions before moving on to another app.

How to Create and Manage a WhatsApp Group

Over 700 million people use WhatsApp daily for messaging and for Internet and video calls. Chances are that you are one of them. Perhaps, you also belong to one or two WhatsApp groups. Here are useful tips on creating and managing a WhatsApp group.

What You Need to Create a WhatsApp Group

To create a WhatsApp group, you need to install WhatsApp on your Android , iPhone , Mac or Windows device.

You’ll also need a group icon, group name, the purpose for creating the group, permission to add participants, and a working list of consenting participants to be added.

Depending on the nature and size of the group, you may also need co-admins and moderators to help you manage the group, as well as a few ground rules to guide group participants.

How to Create a WhatsApp Group

Open WhatsApp on your Android device and tap the triple dots (More button). From the mini-menu, select “New group” to start creating a WhatsApp group.

You can add up to 256 participants by typing their names into the search bar or by scrolling through your contacts and tapping to add them. Tap the green arrow at the bottom of your screen when done.

You can also tap the camera icon to upload the group icon. You can do this via “Gallery,” “Camera,” or “Search Web” options. Tap the green checkmark when done.

How to Manage a WhatsApp Group

The following are some tips on managing a WhatsApp group.

Welcome All Participants and Restate the Purpose of the Group

After adding participants, restate the purpose, goals, and objectives of the group.

You can pin this as a welcome message so that new participants have a clear idea of what the group is about.

Set Ground Rules

Setting ground rules is a key part of managing a WhatsApp group. Rules help to guide member-to-member interactions and general conduct within the group.

Your ground rules should be simple, straightforward, flexible, and firmly applied across the board.

The Three Dots (More Button)

Open the group chat and tap the three dots (More button) to view “Group info” (you can also tap on the group icon), “Group media,” “Search,” “Mute notifications,” “More -> Report,” “Exit group,” “Clear chat,” i “Export chat,” and “Add shortcut.”

You can access the following group info by tapping the group icon or by tapping the three dots (More menu button), then “Group info.”

1. Add Participants

Simply tap the add participants tab (group icon with a plus sign), then search for or add participants.

2 . Change Group Icon

To change the group icon, tap on it, tap the edit icon, then select and upload a new photo.

3. Change Group Name

To change the group name or group subject, tap on the edit icon.

4. Add Group Description

Tap on Add group description to describe what the group is about.

3 . View Media, Links, and Docs

Upon tapping the group icon, you can view all the media, links, and documents that have been shared in the group.

4. Mute Notifications

Group notifications are unmuted by default. To mute notifications, turn on the “Mute notifications” toggle button.

5. Custom Notifications

When you tap Custom notifications and check the “Use custom notifications” checkbox, you will be able to change your default notification tone, vibrate, pop-up notification, light, and priority notification settings.

6. Media Visibility

Newly downloaded media from the group chat will be shown in your phone’s gallery by default. To change this setting, tap on “Media visibility.”

7. Group Settings

Under the Group Settings tab, you can choose who can edit the group info (group subject, icon, description, and disappearing message settings). You can choose between “All participants” and “Only admins.”

Here, you can also set who can send messages in the group. Tap “Send message” and select between “All participants” and “Only admins.”

Tap “Edit group admins” to add or remove group admins. To add a group admin, tap on a name, then on the green checkmark. To remove a group admin, tap on the admin’s name, then the “X” button beneath the profile picture.

The following are alternative ways to add and remove admins.

To add an admin:

Scroll through the list of participants, tap on a name, then “Make group admin.” You can also tap on the name and hold, then tap on “Make group admin.”

Scroll through the list, tap on the name of the admin you want to remove, then “Dismiss as admin.” Alternatively, tap and hold, then tap on “Dismiss as admin.”

8. Disappearing Messages

Disappearing messages disappear after seven days. To activate this setting, tap “Disappearing messages,” then “Continue.”

9. Add Participants

To add participants, you can also scroll down and tap “Add participants.” Search or tap on your contacts to add them.

10. Invite via Link

To invite and add participants by sending them an invite link , tap Invite via link. Share the link by tapping on “Send link via WhatsApp,” “Copy link,” “Share link,” or “QR code.”

10. Exit and Delete Group

If you feel the group has served its purpose or it’s time for you to leave, simply scroll to the bottom and tap “Exit group.” To delete the group, tap “Delete group.”

Academic Whatsapp Group: Exploring Students' Experiences in Writing Class

The use of social-networking application such as WhatsApp in learning writing enables students to foster individual learning experiences during the class and after the class. WhatsApp itself has a special feature to create the specific group in order to bound the members and intimate the interaction among lecturer and students relating to the course matters. This current study generally explores the students’ perceptions in experiencing WhatsApp Group Chat in learning writing. This qualitative research was conducted in one of universities in Lampung province, Indonesia. The subjects were 28 second year undergraduate students who enrolled writing course. The data used were questionnaire, interview, and observations. The findings present the multitude of views that most students significantly showed positive result to use WhatsApp Group in their writing class. By experiencing WhatsApp Group Chat in their learning writing, the students admitted that it is user-friendly and easy to use because it can intensify the interaction with the other group members during the class and after the class, be effective in submitting the writing assignment by uploading the file in the group, get the lecturer’s feedback directly after submitting the writing assignment, and freely ask and share the writing materials. However, some students also revealed that there were some technical problems found when they used the WhatsApp Group Chat such as abundant chats, poor signal, and junks notification. Nevertheless, learning writing through these cross-platform instant messaging might broaden the student’s self-learning experiences. Keywords: Students’ experience, WhatsApp Group, writing class

This research aims to investigate English students' perceptions of using WhatsApp in paragraph writing class in one public university. Paragraph writing class is a part of language disciplines which may get some benefits from the usage of SNS. This qualitative research with a case study approach explores the perceptions of English students on the benefits and limitations of using WhatsApp during their learning activities. There were six participants in this research that the researcher got through purposive sampling; two students who got high, average, and low score of pre-test. The data were collected through questionnaire and interview. The data were analyzed in three major themes; 1. General background of the participants using WhatsApp, 2. Benefits of WhatsApp in paragraph writing class, and 3. Limitations of WhatsApp in paragraph writing class. The findings of the current research indicate that there were positive perceptions of the students in using WhatsApp in paragraph writing class to enhance teaching and learning process in the 21st century such as: 1. Offering peer review, 2. Independence from time and location, 3. Perceived progress of vocabulary, and 4. Grammatical improvement. However, there were two limitations emerged which are: 1. Unstable internet connection, and 2. Costly to use. Moreover, suggestions and pedagogy recommendations are offered to all related parties such as: 1. Lecturers, 2. Policymakers of higher education, 3. Higher education students, and other stakeholders.

Based on the writer " s experience in teaching English For Specific Purposes at Information Technology Students, using whatsApp can be an alternative way to explore students to write in English. There are two forms of conversation; independent conversation and dependent conversation. This research aims to investigate writing activities using the WhatsApp group during the study from home amid the COVID-19 pandemic and students’ perceptions about it. It is a qualitative research, in which the data were analyzed descriptively. This research was carried out at the Sentence-Based Writing class at IAIN Salatiga, Indonesia, in April - June 2020. Employer’s Guide to WhatsApp groups in the workplace

WhatsApp became a household brand when the instant messaging platform reached 1.5 billion users worldwide in January 2018. It is no surprise that for some time now employers have seen the benefit of using this app as a preferred communication platform with and among employees. While instant messaging with individuals or larger audiences in ‘group chats’ has many advantages, it does come with a word of warning. Here are some of the pitfalls that employers must heed:

  • Employees are always on call

In the modern workspace, ‘being at work’ no longer implies your presence at the office. The modern workspace allows you to send a quick voice note or text to employees at any time of the day and employees are jolted into work-mode, regardless of their schedule. While this is convenient, it is in no way fair.

The Basic Conditions of Employment Act (BCEA) dictates a daily rest period of 12 consecutive hours and a weekly rest period of 36 consecutive hours, which must include Sunday, unless otherwise agreed. Your WhatsApp message interrupted that consecutive rest period of the employee. While most managers respect this to a large extent, it can be problematic when the communication is between colleagues. Unless it is an urgent matter that cannot be delayed, staff should refrain from this practice and employers are urged to remind staff of this pro-actively rather than reactively as reprimand after the fact. The exception to this would be urgent or necessary information which cannot wait until ordinary working hours – convenience does not qualify as either.

  • Work Groups

Many companies have WhatsApp groups set up either for the entire business or per department. This is in most cases created with the intent to simultaneously distribute important information to a group of people to whom the information is relevant. If not moderated, these groups may transition into a social sphere where jokes and interesting facts are shared – to the amusement of some and often to the annoyance of most. Especially in large groups, this can have a detrimental effect. It becomes almost impossible to keep track of what was said, by whom, and to what degree of importance as it is effectively drowned out by the noise and incessant replies of ‘noted’ and ‘LOL’.

On the flip side, some view this banter as good for morale, camaraderie, and cohesion. It has been suggested that it also provides managers some insight into general morale and effectively tests ‘the temperature of the room’ with their teams. It has even been suggested that this can be a tool whereby managers can gauge whether an employee is a “team player” based on their involvement in the group. This freedom of expression and apparent informality of the environment may easily be overstepped and translate into real insolence and grievances among employees. Most companies adopt a semi-rigid policy with some allowance so as to avoid a dictatorial stance.

Regardless of how rigidly the group is administered, there should be a policy in place as to what is acceptable on the particular group and what is not – especially where there is a large audience.

As with any right there is a reciprocal duty – the South African Labour Guide lists the following general rights for employees and employers:

Employee rights: 

  • Not to be unfairly dismissed or discriminated against.
  • To be provided with appropriate resources and equipment.
  • To have safe working conditions.
  • To receive the agreed remuneration on the agreed date and time.
  • To receive fair labour practices.
  • To be treated with dignity and respect.
  • To non-victimisation in claiming rights and using procedures.
  • To leave benefits and other basic conditions of employment as stipulated in the BCEA.

Employer rights 

  • To expect employees to render the agreed services on the agreed days and times.
  • To expect employees to perform under his authorisation.
  • To carry out all work instructions and obey all reasonable and lawful instructions issued.
  • To expect employees to display good behaviour in the workplace (to comply with company policy and procedure, and to comply with company Disciplinary Code and Procedure, and to behave in the workplace in a manner acceptable in the norms of society).
  • To expect employees to act in good faith, be loyal, and have the best interests of the employer at heart at all times.
  • To expect employees to follow workplace rules, company policies and procedures and work performance standards.
  • To expect employees to strive honestly toward work objectives, and to expect employees to adhere to product specifications and quality standards.
  • To expect employees to use the employer’s prescribed resources and methods.
  • To expect employees to report to him any dishonest or unlawful practices in the workplace, including any breaches of company policies and procedures.

Where an employer can show utility and a genuine purpose to the group, employees can be expected to adhere to the company’s WhatsApp Policy as a reasonable and lawful instruction during ordinary working hours. This is in line with the status of email correspondence which is now widely accepted and practiced. It is especially true where the company either provides the device and data or makes a contribution towards cellphone costs as part of the remuneration package. The company cannot demand responses or actioning of instructions outside of working hours and will certainly not be in a position to discipline an employee for not responding timeously to a message that could otherwise have been conveyed during office hours. The content of the communication will, however, be a strong indicator of whether it could possibly be seen as urgent and necessary.

  • Policy And Procedure

It is highly recommended that a policy is put in place to govern the usage of the group and the following are some pointers as to what such rules may look like, albeit that most should be common sense:

  • State whether or not it is a requirement to be on the group for operational reasons and if you are not then it will be at your own peril should lawful instructions so communicated not be adhered to.
  • Post your message in one single text message, don’t post every word or sentence in a new message.
  • Limit the number of participants to those whom the group is targeted at and keep the participants to directly affected employees.
  • Do not have one-on-one conversations in the group. Switch to private messages.
  • Do not post in any group between 19:00 and 07:00 unless it is an all-out emergency.
  • If a message asks for a positive response like “who is available”, don’t reply in the negative. Only say if you are able to attend to what is required.
  • If someone asks a question and you don’t know the answer don’t respond with “I don’t know”. Just wait for someone who knows the answer to reply. If no answer is forthcoming it would be polite to make enquiries with those close by so as to assist the requestor.
  • Don’t send “thank you” messages unless circumstances dictate it appropriate. If you feel gratitude towards someone – tell them in a private message. The group does not exist to inflate your employer’s opinion of you or of your colleague.
  • No arguing and heated opinions will be allowed. Any post that includes racism, sexism, xenophobia, homophobia, ethnically divisive remarks or any other topic that offends and disturbs the fragile tranquillity of the workplace should be avoided. This may lead to disciplinary action being taken.
  • Never use a group to berate someone else or air grievances. If you have an issue address it with the relevant person or management directly.
  • Don’t send data-insensitive messages.
  • Employees should avoid discussing details of a sensitive crisis, which the employer is still resolving.
  • “Mute” is allowed on your WhatsApp group after hours (unless you’re part of an emergency response group).
  • Ask yourself these 3 questionsbefore you post:
  • Is this relevant?
  • Is this necessary?
  • Is this a good time to post?

The employer should tailor the above list, which is included for illustration purposes only, to their respective business and target audience as some may not be appropriate or necessary.

Work WhatsApp groups – what does the law say?

We’re all on them.  We all hate them. They’re intrusive and invade our personal time.  WhatsApp work groups are becoming the new normal. This blog examines what the law says about them and whether we need to accept that they are an inevitable part of our work experience.

We have already covered ten useful tips on how to engage in WhatsApp generally, always keeping in mind the ever important “Billboard Test – if you wouldn’t put it on a giant billboard with your name, photograph, and your company or school, don’t put it in a WhatsApp group (or any social media). In fact – do not let it exist in digital format at all”.

With the world in lockdown, it is little wonder that companies are turning to WhatsApp as a preferred method of communication because it is convenient, efficient and allows for open communication. All of these are, on the face of it, clear positives. But where do you draw the line in the sand? There are, as yet, no specific laws governing the use of WhatsApp Groups in the workplace in South Africa. However,  an article titled Bully Bosses told to shove WhatsApp Groups  concludes that WhatsApp Groups should comply with and be governed by the Basic Conditions of Employment Act (“BCEA”) which specifically sets out that a daily rest period of 12 consecutive hours and a weekly rest period of 36 consecutive hours, which must include a Sunday, must be given to all employees*.

*Note must be made however that whilst all employees have the full protection of every section of the BCEA, only those employees earning below the threshold of a gross annual pay of R205 433.30 (the “Threshold”) have a legal right to “ deman d” that employers comply with Section 15 of the BCEA regarding daily and weekly rest periods. Employees who earn above the Threshold, do not possess the same right to demand but rather possess a right to negotiate with their employer on working hours and rest periods. In this regard, the employer must , when determining the hours of work of the employee earning above the Threshold, take into consideration section 7 of the BCEA, which states that: “ Every employer must regulate the working time of each employee (a) in accordance with the provisions of any Act governing occupational health and safety; (b) with due regard to the health and safety of employees; (c) with due regard to the Code of Good Practice on the Regulation of Working Time issued under section 87 (1) (a); and (d) with due regard to the family responsibilities of employees”. Similarly, according to section 48 of the BCEA, the employer is in the same boat – the employer cannot demand that employees earning over the threshold must work overtime, standby duties, attend callouts etc, without limitation and without compensation. Reasonableness should therefore always apply, regardless of your annual earnings.

Therefore (and despite the Threshold), an employee should not be expected to be available 24 hours a day, 7 days a week (being online does not mean you are permanently available). The only possible exception to this rule would be if there is urgent or necessary information and/or an instruction which cannot wait until ordinary working hours – convenience does not qualify as either urgent or necessary.

So the question is – do I have to be part of a workplace WhatsApp Group? Well, there are two starting points a) has your employer proven a necessary and genuine purpose to the WhatsApp group (so not just for sharing motivational messages) and b) does the company provide either the device and data or does it make a contribution towards the cellphone costs as part of the remuneration package? If yes to either of the above questions, then yes, you can probably be expected to be part of the workplace WhatsApp Group and therefore be expected to adhere to the company’s WhatsApp Policy as a reasonable and lawful instruction during ordinary working hours.

With that in mind we thought we would set out some useful tips to make WhatsApp in the workplace a little easier to deal with:

  • Always keep in mind the Billboard Test;
  • Always be very careful what you post – no heated debates or strong opinions on any sensitive topics, such as those related to racism, sexual orientation, xenophobia, homophobia, ethnically divisive remarks, remarks about religion or any other topic that would offend or disturb the workplace environment. Any comments related to the above, may very well lead to disciplinary action being taken against you, so avoid like the plague;
  • Etiquette is always important – only respond if absolutely necessary. Random LOL’s, “noted” or “I don’t know” can cause an irritation rather than be constructive,
  • Do not air grievances or discuss details of a sensitive topic or nature on the public group – take it offline, especially if it is specifically between two people;
  • Likewise if there is inappropriate content shared on the Group chat, disassociate yourself immediately or voice an objection on the group (as discussed under our ten tips for WhatsApp );
  • Always ask yourself the following four questions – a) is it legal? B) is it relevant? c) is it necessary? and d) is this a good time to post? Keep in mind that if it is urgent, a phone call to the respective person is probably more professional and if it is not urgent, it can be better dealt with in an email during normal working hours.

Something to keep in mind (according to the BCEA), a company cannot demand responses or actioning of instructions outside of working hours, unless of course it is communicated as both necessary and urgent or if it is otherwise agreed to between employer/manager and employee. Likewise, they cannot discipline you for not responding immediately to a message that could have been discussed during normal working hours. Remember, whilst the WhatsApp Policy may dictate response times and what action may or may not be required, bullying by your boss is a no go and should be reported directly to HR as soon as possible. In fact, any inappropriate content from any work colleague on a work WhatsApp Group, if not already attended to, or if it still makes you feel uncomfortable in any way, it should be brought to the attention of your HR.

You may recall that in 2017, four FNB employees were dismissed for “offensive political discussion” and for “using offensive language” on a private WhatsApp Group. We think every company should have specific guidelines on how to engage in WhatsApp in a professional capacity. Have you wondered why? Though it’s a very wrong example to be taken while talking about “team work”, the underlying human dynamics is similar. Any task that needs a lot of co-ordination, collaboration and team work amongst its members – necessarily needs a huge amount of communication between its members.

On the contrary, “Bad communication” or “No communication” is often the main cause of chaos and heartburn in a team. Those of us who are married would know what it means to be given, “the silent treatment”. If you think about it, the same thing holds true for dynamics in a team too.

Our work at FocusU, takes us all across the country – something that we enjoy! The flip side of it though is that we would often not meet some team mates for as much as a fortnight at times! Soon, we started seeing the fallouts – many goof-ups, many gaps in execution – several instances where we felt better communication would have saved us the blushes!

In one stroke, all of a sudden – the “chatter” within the team shot up exponentially! ‘Potential misconduct’ behind Judge Merchan’s several Trump trial assignments, Stefanik says

N ew York Republican Rep. Elise Stefanik sent a letter to New York officials on Tuesday arguing there may have been "misconduct" within the New York Supreme Court system to ensure Judge Juan Merchan presided over the unprecedented NY v. Trump trial .

"One cannot help but suspect that the ‘random selection’ at work in the assignment of Acting Justice Merchan, a Democrat Party donor, to these cases involving prominent Republicans, is in fact not random at all," Stefanik wrote in the letter, which she sent to the New York State Commission on Judicial Conduct and the Office of the Inspector General of the New York State Unified Court System, warning of "potential misconduct." The Daily Mail first reported the letter Tuesday .

Stefanik pointed to how Merchan has overseen a handful of cases involving Trump or his allies , including the NY v. Trump case, the criminal trial against the Trump Organization in 2022 – a case that found the organization guilty of tax fraud – and is set to oversee the upcoming trial of Trump ally Steve Bannon.

"The simple answer to why Acting Justice Merchan has been assigned to these cases would seem to be that whoever made the assignment intentionally selected Acting Justice Merchan to handle them to increase the chance that Donald Trump, the Trump Organization, and Steven Bannon would ultimately be convicted," Stefanik continued in the letter.

Her letter called on the commission and the Inspector General to "investigate this anomaly to determine whether the required random selection process was in fact followed in the assignment of these criminal cases to Acting Justice Merchan."

She continued that if Merchan or other justices of the court violated assignment rules, she hopes the "Commission would subject them to the required discipline."

The letter comes the same day the defense and prosecution teams held closing arguments in the NY v. Trump trial. 

Last week, Stefanik filed an ethics complaint against Merchan for an alleged conflict of interest related to his daughter's role representing Democrat politicians and political action committees. Merchan's daughter is the president of Authentic Campaigns, a digital marketing agency that has included clients such as Rep. Adam Schiff, D-Calif.

Stefanik said in her complaint last week that she learned that the New York State Commission on Judiciary Conduct "privately cautioned [Merchan] in July over his illegal political donations to Biden and Democrats in 2020."

"This private caution has not deterred Judge Merchan’s judicial misconduct, as evidenced by this current complaint," she wrote. "Judge Merchan appears driven by Democrat partisanship and financial gain for his daughter."

Stefanik said it is "imperative that New Yorkers and all Americans have confidence that justice is being dispensed fairly in New York."

Trump has also railed against Merchan as a "conflicted" judge and previously called on him to recuse himself from the case, citing his daughter's work as a political consultant.

Trump has since been placed under a gag order, which bans him from publicly speaking about witnesses or making remarks about court staff, DA staff or family members of staff. Following the gag order, Trump has taken to calling Merchan "conflicted" and "corrupt" but not going into great detail about Merchan's alleged corruption.

"We have a judge who’s highly conflicted. He happens to be corrupt. Yes, there is confliction. It’s the worst that anybody’s seen. Nobody has ever seen anything like it," Trump said Tuesday morning ahead of court.

Last week, Trump said Merchan could gain back "respect" if he dismissed the case.

"This case should be dropped by the judge. I think the judge, if he did, that … could gain the respect back. The appellate court has to step in, something has to happen. Think of it, the Republican Party, one of the two great parties, nominates somebody to be their candidate. And that candidate now has been sitting here for almost five weeks in a freezing cold icebox listening to this stuff," Trump said last Monday.

Fox News Digital reached out to the offices of the New York State Commission on Judicial Conduct and the Office of the Inspector General of the New York State Unified Court System on Tuesday evening but did not immediately receive responses.

Most people by now are familiar with the idea of “de-risking” or “decoupling” as the US and EU try to diversify from China in strategic industries. 

Less well known is a more subtle form of decoupling that is afflicting corporate China , particularly international businesses in the country — a lack of expatriates. 

Foreign companies in China are reporting that the number of expatriates who want to live and work in the world’s second-largest economy is still low compared with before the pandemic and there are few signs that it will fully recover soon.

Why should international companies care? After all, “localisation” — appointing local staff in the place of expatriates — is advancing in China as geopolitics makes the environment more complicated and more businesses shift parts of their supply chains to other countries. 

Localisation also suits those multinationals that are selling into the Chinese domestic market and need to better tailor their products for local customers — the so-called “in-China-for-China” strategy.

But having too few international employees can also have unintended consequences for foreign companies in China. Without employees going back and forth from headquarters, opportunities can be missed in communications gaps. Exhibit one of the latter is how many foreign automakers were caught out by the sudden rise of China’s electric-vehicle manufacturers during the pandemic.

For multinationals, ensuring a constant to and fro of employees between headquarters and their operations in different countries is important for instilling a global corporate culture too.

“In an environment where you don’t have this very regular exchange of personnel for long-term assignments between headquarters and China — going in both directions — then it’s really hard to preserve the corporate culture,” says Sean Stein, chair of the American Chamber of Commerce in China. “And once the corporate culture starts to weaken, gaps between HQ and China start to expand.”

Executives also say that by increasing the number of people in corporate headquarters with meaningful China experience, companies can reduce “friction” in communications with their operations there.

Precise data on expatriates in China is scarce. Chinese authorities have said the country issued permits for 711,000 foreign residents last year compared with 846,000 in 2020 — the most recent prior comparison available. The European Chamber of Commerce in China’s business confidence survey published in 2023 found that 16 per cent of respondents did not employ any foreign nationals at the time and that expatriates accounted for 10 per cent or fewer of staff for 78 per cent of them. This was slightly more severe than the survey published the previous year.

Both surveys, however, reflected the worst effects of the pandemic. Executives report that things have picked up since then but there is no sign of a return to pre-Covid levels or even the heyday era before the pick-up in US-China trade tensions from 2018.

Whereas high-flying executives would once have gladly done a stint in China, today the posting looks more troublesome. Apart from geopolitical concerns, there is the extreme corporate competition in the country. In its recent business climate survey, Amcham China found that one-third of respondents reported that their profit margins based on earnings before interest and tax in China were below their global average while only 19 per cent were above the global average.  

Fixing the expat gap will be complex. Companies’ global headquarters will need to offer extra incentives both to high-performers outside China to do a stint in the country and to local staff in China to accept assignments outside.

This is important partly because of the need to grasp promising opportunities but also compliance. In China, as anywhere, things can go badly off course when a global company loses close oversight of its subsidiaries. Expatriates will not by themselves solve this but they are one channel for instilling global compliance standards. After all, China’s corporate history is littered with foreign businesses caught up in disputes with their local partners, or embroiled in localised corruption cases. That is the kind of decoupling no company wants.

What do horse race journalists think of ‘horse race journalism’?

As the 2024 presidential election approaches, breathless reporting of incremental polling has already begun.

Two competitors, catapulted by pedigree and ambition, are gunning for the big prize. Sprinting through the muck to get there, the final stretch around the bend is in sight — it’s neck and neck — and then — a New York Times/Siena College poll throws the whole race into question.

The 2024 election cycle is underway, and that dirty phrase has already been bandied about: horse race journalism .

Horse race journalism is an old-school term for political reporting that treats minor updates in polling and campaign strategy like play-by-play announcer calls. The approach is criticized for a disproportionate focus on the odds of an election over the actual stakes.

But is “horse race journalism” a fit comparison to actual horse racing journalism?

Poynter reached out to journalists who cover horse racing to get their take on the term, and what reporters covering 2024 can learn from their experience covering high-tension matchups and big-money betting at famous races like the Triple Crown.

(To be fair, the reverse can also be true. MSNBC’s Steve Kornacki, known for his khaki pants and big map , was looped into NBC’s horse racing coverage starting in 2022 because of his work wrangling with high-stakes political odds on election nights.)

“My colleagues who I admire in politics should remember that the rule of thumb in horse racing is ‘nobody knows nothing,’” said Joe Drape, horse racing reporter for The New York Times. “You got opinions, you got information in front of you, you got speculation, but until the race is run, nobody knows who’s gonna win.”

Is horse race journalism really like ‘horse race journalism’?

To Neil Greenberg, a staff writer with The Washington Post focused on sports analytics who also covers horse racing, the label “horse race journalism” is a little superficial.

“I get it. It’s a race, right?” he said. “I don’t think it’s derogatory in any way. I can certainly understand the parallels.”

Drape’s definition of horse race journalism?

“You drink mint juleps, you watch a two-minute race, you got 45 minutes to have an epic in miniature,” he said. “Horse race journalism for politics is, ‘Who’s up? Who’s down? Who looks good going into the first turn? Who looks good down the backstretch? Who’s closing quick?’ They’re putting the lexicon of horse racing onto political campaigns.”

Melissa Hoppert, deputy editor for live coverage at the Times who also reports on horse racing, said while horse racing journalism does have some aspects of “horse race journalism,” there’s nuance to both.

“I think there’s value in covering the minute to minute. We live in a 24-hour news cycle, and I just think that’s where we are in the world, whether we’re covering sports or we’re covering politics,” she said. “I see the value in watching trends and data. But also, at the end of the day, you have to step back and look at the big picture.”

Putting things in context

Like any sport with a healthy gambling culture, there’s a lot of number-crunching in horse racing journalism. A big part of the beat is rounding up expected winners ahead of the races, with many writers making picks to win.

Greenberg said one difference between “horse race journalism” and the real thing is the sense of responsibility he feels when it comes to recommendations, as real individuals are betting with their own money. He inherited that responsibility from Andrew Beyer, the Post’s longtime horse racing columnist. Beyer created the Beyer Speed Figure, a methodology to compare the speed of thoroughbred racehorses at different tracks and different levels of competition.

There’s a real pressure to make complicated numbers mean something, a stark difference from the murky world of flashy political polls jockeying for attention. That translates into providing as much context as possible behind the numbers.

“If a horse runs a mile in 40 seconds, that’s great,” Greenberg said. “But was he racing against the Secretariat-type horses or was he racing against horses we may see at the local zoo?”

Providing complete context for readers extends beyond number-crunching methodology, and into examining the material costs of the race.

Thoroughbred racehorses “break down” when they suffer a broken leg or fracture during a race, buckling under the strain in full view of an audience that had just been cheering for them.

It’s a grim sight, as the horses are put down, but it’s also an expected part of the sport. But, a high-profile cluster of deaths before, during and after the Kentucky Derby in 2023 led Drape and Hoppert to try to understand what was happening across the horse racing world.

The resulting reporting and documentary, “Broken Horses,” which came out in April, is the product of a year of analyzing confidential documents, covert recordings and exclusive interviews to explain why young horses in peak physical condition break down.

“Something that Joe and I bring to the table is that we’ve been covering horse racing for combined decades,” she said. “We have the historic knowledge that maybe some people don’t have. We try to always add context like, OK, this happened, but here’s why it’s important.”

You can’t neglect the underdogs

Heading into the Preakness Stakes, all eyes were on Mystik Dan. Hot off a victory at the Kentucky Derby, Mystik Dan was one-third of the way through a bid for the coveted Triple Crown of thoroughbred racing but was bested by an unexpected rival, Seize the Grey, who came in first and shattered Mystik Dan’s chance for the Triple Crown.

Though Seize the Grey isn’t exactly an underdog, with an impressive pedigree and Racing Hall of Fame trainer, the upset is indicative of what horse racing journalists say is a major difference between their work and campaign trail reporting.

A big critique of “horse race journalism” in politics is the tendency to focus reporting on two candidates chasing each other in the polls, to the detriment of primary contenders and third-party candidates. But in horse racing the underdogs can, and do, win.

“Horse racing journalists are good at giving a spotlight to lesser known participants who have interesting backstories or the potential for a surprise,” Greenberg said. “They dive into these long shots, these horses that on paper may not seem to have a chance, but they bring life to them and the trainers and try to figure out why they’re here, and maybe an angle or two as to why they can win. You don’t really see that in political circles.”

That lesson, to keep an eye out for the long shots, the “dark horses” in a race, could have served more journalists well ahead of the 2016 presidential election.

“Donald Trump was dismissed as someone who had no shot, a total fringe candidate,” Hoppert, the Times editor who also covers horse racing, said. “Then look where we are. But I think some people did have a gut feeling from the very beginning that, ‘Wait, I think this guy is gaining traction.’”
