Tips on Giving Welcome Speeches

Anyone who has ever given a speech would most likely understand stage fright can be a big issue. But there is a way to stop that as well as to present a good welcome speech like a pro. Here are some tips to help you succeed in delivering that carefully written welcome speech.

  • Practice makes perfect – We all heard the old saying “practice makes perfect”. This can be true for this type of situation. Doing some practice before you deliver your speech can actually help you. Start off by asking a friend to help you. Let your friend give you some feedback and go from there.
  • Breathe – Once you are done practicing and you are about to deliver your speech, breathe. Without getting enough oxygen, you may feel dizzy and most likely would you feel stage fright. People get nervous when they feel they are out of breath, so breathe in and out before you go and say that welcome speech.
  • Voice – Your voice should reach the last row of the audience. Make sure you can be heard clearly and correctly. We would not want any misunderstandings when presenting the speech.
  • Maintain eye contact – If you want to draw attention from your listeners, maintain eye contact at all times. Avoiding eye contact would make your listeners believe that you are not interested in getting their attention. In addition to that, it is also polite to look at the audience when you are speaking.

Why are welcome speeches necessary?

A welcome speech is necessary as this is a way of welcoming people who attended the ceremony. This is also a way of introducing the speaker, the agenda and the people in charge of the event. Without all this, the listeners or the audience would feel lost. Think of a welcome speech as a guide for the people who are attending the event.

Most events like wedding receptions , lectures, awards ceremonies, and church events often use welcome speeches before starting the actual event.

Is it expected to mix a thank you speech with a welcome speech?

So, you've been asked to give a short welcome speech for an event. Congratulations! And now you want to be doubly sure you get it right. The right content. The right tone. Plus, the right length!

You'll find everything here you need to do that easily, from start to finish.

The fastest and best way to get your speech done is to:

To be effective your welcome speech needs to meet expected, as well as any specific, requirements dictated by the occasion.

The 6 standard welcome speech content ingredients

There are six common or standard content items in a good welcome speech.

  • Greetings to welcome everyone and thanking them for coming along.
  • Acknowledgement of special guests, if there are any.
  • An introduction of the event itself and a brief overview of special highlights the audience will want to know about.
  • Any important housekeeping information, for instance: where the bathrooms are, where lunch will be served and when...
  • An introduction for the next speaker, if there is one.
  • Thanking everyone for coming once more and then concluding having made everybody feel at ease, eagerly anticipating what is to come.

Numbers 1, 3, and 6 are basic essentials you cannot do without. Numbers 2, 4 and 5 may, or may not, be applicable. Pick what you need from them to fit your occasion.

Now let's put all six ingredients into an example of a short welcome speech to open a conference that you can adapt for your own speech.

* (This speech is pure fiction! I made it up to show you how it's done. You'll see its tone is formal rather than informal to fit the occasion. I don't think there is a group called Parents United. "Sue-Ellen Thomas, Jim Smith, Jane Brown and all of our guests, good morning!

My name is April Molloy, and it's my privilege and great pleasure on behalf of Parents United to welcome you all here today.

We are delighted to have you with us to participate and share in this special occasion, our 5th annual Children's Day Conference. Thank you for coming. That many of you have willingly traveled long distances to be here serves as a reminder to us all just how important our work is.

Writing your welcome speech

Tips to help you get your speech right.

When you're entering information into your speech planner:

  • ensure you've got all the names of individuals or special guests you need to mention specifically and, that you know how to pronounce each of them. Also check that you know and use their preferred pronouns: them/they, she/her, he/him...
  • double check the remarks you're going to make about them, or anything else, are factually correct.

Use your introduction of your guests/or the event, as a "teaser" for what is going to come. It will help create anticipation in the audience. Don't ruin it by giving too much away! Just enough to tempt and no more.

Keep it brief. One to two minutes is generally sufficient.

(The word count of my sample welcome speech is 357. It will take approximately 2 minutes to say .) 

Use the S-S-S formula for success: Short, Simple and Sincere. Your listeners will appreciate it.

What does a good welcome speech do?

An effective welcome speech has three important functions. It:

  • signals the official beginning of an event . It says to the audience, hush, sit down, stop talking and listen. What you came for is starting!
  • sets the tone for the occasion through the choice of language used . For example, using light-hearted and informal words to welcome guests to a dear friend's birthday party may be completely appropriate.  However, the same type of language to welcome family and friends to a memorial service is unlikely to be. In that setting, people generally expect a more solemn and formal word choice. They could be deeply offended and think the use of casual language is disrespectful.  Understanding and getting tone right is a key element in the overall success of your welcome speech.  
  • unites the audience . It draws everyone together in the common purpose at the heart of the occasion. For example, at a birthday party, the welcome speech invites everyone to join in celebrating the person whose birthday it is. The welcome speech opening a specialist conference will affirm its principal purpose: the coming together of people with mutual interests to meet and share new knowledge. How to choose the right words

The beginning of getting tone right is to think about your audience and the event itself. Your goal is to unite and bring them together in the main purpose at the core of the occasion. What type of language will do that most appropriately and easily?

To answer that question, think about the common interest everybody shares - the principal reason behind them getting together.  It will help guide your language choice.

Is it a fun event like a birthday party for close friends and family? If so, then informal language is likely to be the most apt.

You might hear something along the lines of: "Well, here we all are! The big day has finally arrived. Jean-Marie is 50! Half a century! How on earth did that happen?"

If it's a remembrance service for someone who has recently died, the language you're likely to hear is more formal.

For example: "Friends, family, colleagues, thank you for joining us today to celebrate and give thanks for our dear Jean-Marie. Your presence is gratefully appreciated." 

What is appropriate? What is expected?  Do spend some time thinking tone through. Misunderstanding and getting it wrong can be very embarrassing for everyone. If in doubt, ask someone whose opinion you trust.

Researching the Speaker

Step 1 Ask the speaker what they’d like you to say.

  • When the speaker provides an introduction for you, use it. Read it over a few times and don’t hesitate to ask them for any clarification if you need it.

Step 2 Find out the speaker’s topic and who their audience is.

  • For example, if the speech is about encouraging young girls to learn computer programming, don’t spend time explaining how the speaker can teach these skills to adults.
  • Additionally, if the audience is mostly people who work in the education field rather than computer programming, avoid using a lot of jargon specific to computer programming so the audience can follow along better.

Step 3 Gather biographical information about the speaker.

  • Another method is to ask the speaker for their resume. Use this to pick out their most notable achievements to help establish their credibility.
  • A good introduction goes beyond just reciting the speaker’s personal history. However, noting their most relevant and impressive achievements will help establish them as an authoritative figure to the audience.

Step 4 Avoid using sensitive or embarrassing information without approval.

  • Always get the speaker’s permission before using these details. If you need to use this information, have an explanation ready as to why it’s important to your introduction.

Step 5 Find other speeches the speaker has given.

  • Be careful if you’re using pieces from another speech since it is copyrighted material and can’t be used without the speaker’s permission. Talk directly to the speaker about using these portions, or rephrase the section in your own words.

Step 6 Include a surprising detail if it works in your intro.

  • “Many don’t know that John Doe originally went to school for law, but ended up choosing psychology instead. Just like many of you, he didn’t have much of an idea of where his life would take him. Little did he know that his legal studies would actually help him to become one of the most renowned therapists we know today.”

Step 7 Master pronouncing the speaker’s name.

  • Avoid using overly casual language to refer to the speaker, such as “guy,” “girl,” or “kid.” Instead, use “person,” “woman,” or “man.”

  • “John is here today to share the secret to maximizing your savings so you can live freely without ever having to worry about finances again.”

Step 4 Include a short personal anecdote if you have one.

  • “John and I met a few years back and immediately bonded over the struggle of maintaining a healthy work-life balance. I’m sure many of us can relate to this.”
  • “Jane’s book on navigating childcare in our current economy struck me at a very deep level. I’ve never read such relatable and honest words, and her work has given me comfort and reassurance during these unpredictable times.”

Step 5 Focus more on the speaker’s credibility rather than humor.

  • For example, you might say, “John Smith’s story working in the lumber industry inspired me to go out and build a cabinet. Unsurprisingly, it fell apart within five minutes of being built. I went back to him, and he was sure to reassure me that it’s a practice that requires much patience.”

Step 6 Introduce the speaker’s name at the end.

  • “Please join me in welcoming Dr. John Smith!”
  • “Here to discuss her newest book, “How to Live a Happier Life,” please give a warm welcome to Jane Doe.”
  • “Here to share his unique perspective on the current political climate, please welcome Professor John Doe.”

Step 7 Read your speech aloud to catch any errors.

  • Also, practice using a friendly and relaxed tone when you give your speech to avoid coming off as super stiff and nervous.
  • To overcome stage fright , recite the introduction while looking in a mirror. Once you feel comfortable, rehearse it in front of family and friends.

This is the final official ceremony that my dear students will attend in our prestigious school/college (mention the name). We are fortunate to have so enthusiastic and talented students who have brought laurels to the name of our school. It has only added to our school’s prestige and good name. The support and encouragement of the parents throughout the entire year are truly remarkable. Be it a sports event, dance and singing competition, quiz, or any important tournament they stood by like a rock. Our faculty is thankful for the cooperation and trust that you have shown in us. The passion for life that I have seen in you as students for everything you do is extraordinary. Whatever you put your mind to I am certain that you will achieve it. Going ahead there will always be trials and tribulations in life, always remember that you just have to believe in yourself. When you have faith, you have confidence in yourself and that will come in handy wherever you go. 

There are no free lunches in the world, just because you studied here doesn’t mean you are entitled to all the opportunities. You must remember that you have to work harder and earn to be deserving of every opportunity you get. Take every challenge you face as an opportunity for another chance to prove your worth. Also, know the difference between people to who you have to prove yourself and those you need not prove to.

We all are very energetic & active for this Sports day which is clear from our face.

I would like to thank the organizing committee & volunteers for their constant effort to make this sports day successful. Here I can see a blend of extraordinary and smart students and their parents who have made this day arrive; they have come to us from each and every corner of the city.

Every year, I find it to be my pleasure to address you people who are the young minds of today and the responsible citizens of tomorrow. I and whole of our dedicated teachers’ team appreciate the efforts put in by the parents along with their wards. So, here I feel privileged to extend my warm welcome to all the dear parents who are constantly extending their support & love to pupils as well as faculty members of this school.

Taking our evening further and to begin with the Annual Function, I on the behalf of everyone present here, heartily welcome the inaugurator and the dignitary of the priceless function today, the Guest of honour, Mr.XYZ Kapoor, who is the social worker, educationist and philanthropist. I am especially thankful to him as when we approached him with the invitation card & requested him to grace the evening as the Chief Guest, Mr Kapoor accepted our request and readily agreed when he looked at today’s event and its program.

Mr.Kapoor is a well known name in the matters related to Women Empowerment. He has put in a lot of efforts for promoting the education of girl child, for this he has even set up many small education centres for girls and ladies. His initiative of setting up an orphanage and the old age home is what everyone is talking and praising about, nowadays.

Good afternoon everyone,

On the behalf of St. JKL Academy, I extend a very warm welcome to all of you present here on the 14 th annual sports meet of our school. Sports are an integral as well as necessary part of our lives.

Sports, whether team based or individual are a great activity for children that provide us a variety of benefits other than physical fitness. Participation in sports can help build self-esteem, confidence and can motivate children to excel academically and can help build their social skills. It can even teach children the ways and benefits of goal setting & practice.

So, with this purpose, we organise a sports meet every year in an order where 100% participation is encouraged and each participant is rewarded and it is the participation of children that is most important for us and gives us immense joy. This year our school has been declared as one of the best institutions of the city which has included and is following extra-curricular activities in the daily time-table. I wish to thank and congratulate each one of you dear parents for, without your support, it would not have been possible for us. Dear parents, what you see today, is the culmination of massive, continuous efforts put in by the students and teachers. So, sit tight and cheer our students with your generous applause.

I am pleased to share that the distinguished guest to honour us with her presence today as the Chief Guest of our Sports day is none other than Ms Babita Kumari Phogat, the legendary Indian wrestler & Olympian. After a biopic (“Dangal”) has been made over their inspiring life stories,  I believe almost all of you must be aware of Phogat sisters who epitomise unfailing spirit to succeed despite all odds. Miss Phogat is one of the Indian women wrestlers who have made their nation proud many a times by their outstanding performance in the area mostly dominated by men.

Her valiant struggle backed by her strong determination brought her all the way where she is now. She has won 3 Gold medals and 1 Silver medal for India in Commonwealth Wrestling Championship along with 2 Bronze medals in World Wrestling Championship & Asian Wrestling Championship. It is a privilege for all of us gathered here to have such a celebrity between us as our esteemed guest of honour.

This is PQR, student of class12th -C and Cultural Secretary of our ABC school. It is my privilege and pleasure to welcome all of you here on the auspicious day of our school completing its 25 years and celebrating its Silver Jubilee function. I feel it is needless to say something about the importance and value of today for all of us. The glittering faces tell that already. We all are extremely happy for our institution and we heartily congratulate all the members on the completion of 25 golden years of our school’s and for the successful leap it has taken. We are now at a junction where an academic chapter closes and a new one begins.

I’ve been a part of the school since I was in 4 th standard and what a journey it has been with each year having its own triumphs and struggles & yet unique in many ways. All our teachers, instructors, trainers have been quite co-operating and helpful throughout. Our school apart from being awarded as the best school of Noida in academic sector also focuses on extra-curricular activities for every student.

Now, in order to begin with our cultural performances, I am glad to respectfully & cordially welcome the chief guest of the evening, Mr.XYZ Kapoor, who is known all over the country as an educationist, social worker as well as a philanthropist. This is Abc , the Head Boy and student of class 12 th -A. School & I am extremely honoured and have this opportunity to address you at this prestigious moment when our institution, XYZ School is celebrating its 15 th Annual Academic Award Ceremony where our school rewards the scholars for their hard work and motivate them to keep their aspirations higher.

Aside, from the fact that this ceremony underlines, our institution’s successful back to back 15 years, in the realm of imparting education to the children, this day is also going to witness the showcasing of the talents of the young minds of our school.

Education is about far more than what happens within the four walls of the classroom and we are very fortunate to have such teachers, trainers and instructors who recognises this. If this building and teachers are the two resources available to the school, then certainly, we the students are the third. Really, one of the joys of teaching is to draw that creative, academic, sporting potential out of their students.

Our school believes that they are not just looking for Academic Qualifications but also for personal qualities like Leadership & teamwork, Determination & Flexibility, Confidence & Self -Belief, Respect & Consideration etc.

This is a highly important occasion for us because apart from the fact that this celebration highlights our school’s continuous success in the area of education, this platform is also an opportunity to welcome our Chief Guest of the evening today.

On behalf of the ABC College, I cordially and respectfully welcome Mr._____, who is a renowned cardiologist and serving as the Heart Specialist in the prestigious XYZ Hospital. We are certainly grateful to him for courteously and gladly accepting our invitation to become the chief guest of this occasion today. Our chief guest doesn’t need any formal introduction as he is a philanthropist and a distinguished figure in the society. He is been highly respected and known for his kind deeds and professional services in medical as well as social service field. We are all aware of his impeccable treatments which have saved lives of many. The land of various gods and goddesses, languages, festivals and customs where individuals from different communities, religions, cultures celebrate, enjoy and live together as one i.e. Indians. No wonder, India is incredible.  On 15 th of August our nation got Independence 70 years ago, and we are proud to say that we have earned this achievement after a lot of struggle and innumerable sacrifices. As we have gathered here today, I take this opportunity to wish every student and our teachers a very Happy Independence Day!

This dais is a big opportunity for me to welcome our chief guest today who is the renowned political figure in the society. He is the Member of the Legislative Assemble (MLA) in our district. He is also a renowned philanthropist and known for his noble deeds. He is the founder of an NGO that works for the poor and deprived children. He is a highly literate person. After completing his graduation from IIT Kharagpur, he joined the Government and contributed towards the construction of several roads and bridges in our town. Our chief guest loves to write in his spare time and he has written several verses, especially focusing on social issues like poverty, unemployment, etc. It is really an honour to have such a distinguished figure as the chief guest today and having his presence is motivational and inspirational for the students of our school.

I would also utilize this platform to thank and welcome sincere parents, who have extended their unconditional love and support to the missions and vision of the school which has been of tremendous help in achieving our goals. The parents have shown tremendous trust in the school which has always been a motivation for the school to reach the zenith of excellence.Last but not the least, I would like to thank all the teachers, students and all staff member of the school who have always been proactive, hard-working and dedicated to make every event a grand success.

As we are aware that every year we celebrate this occasion with several cultural programmes, this year too we are celebrating our Independence with various cultural programs to be performed by the students of our school. These students belong to different communities but they share the feeling of oneness irrespective of their caste, creed, culture, religion or economic background. School teaches everyone to become a good human being above anything else.

I would like to request everyone to first pay respect to our nation and to all the soldiers who fought fearlessly to earn this freedom.
