Just like events planning, or any other activities, writing an effective speech follows certain steps or processes. The process for writing is not chronological or linear ; rather, it is recursive . That means you have the opportunity to repeat a writing procedure indefinitely, or produce multiple

drafts first before you can settle on the right one.

The following are the components of the speech writing process.

• Audience analysis entails looking into the profile of your target audience. This is done so you can tailor-fit your speech content and delivery to your audience. The profile includes the following information.

Q demography (age range, male-female ratio, educational background and affiliations or degree program taken, nationality, economic status, academic or corporate designations)

Q situation (time, venue, occasion, and size)

Q psychology (values, beliefs, attitudes, preferences, cultural and racial ideologies , and needs)

A sample checklist is presented below.

The purpose for writing and delivering the speech can be classified into three — to inform, to entertain, or to persuade .

  • An informative speech provides the audience with a clear understanding of the concept or idea presented by the speaker.
  • An entertainment speech provides the audience with amusement.
  • A persuasive speech provides the audience with well-argued ideas that can influence their own beliefs and decisions.

The topic is your focal point of your speech, which can be determined once you have decided on your purpose. If you are free to decide on a topic, choose one that really interests you. There are a variety of strategies used in selecting a topic, such as using your personal experiences, discussing with your family members or friends, free writing, listing, asking questions, or semantic webbing .

Narrowing down a topic means making your main idea more specific and focused. The strategies in selecting a topic can also be used when you narrow down a topic. In the example below, “Defining and developing effective money management skills of Grade 11 students” is the specific topic out of a general one, which is “ Effective money management.”

Data gathering is the stage where you collect ideas, information, sources, and references relevant or related to your specific topic. This can be done by visiting the library, browsing the web, observing a certain phenomenon or event related to your topic, or conducting an

interview or survey. The data that you will gather will be very useful in making your speech informative, entertaining, or persuasive .

Writing patterns, in general, are structures that will help you organize the ideas related to your topic. Examples are biographical , categorical / topical , causal , chronological , comparison / contrast , problem-solution, and spatial .

The different writing patterns

An outline is a hierarchical list that shows the relationship of your ideas. Experts in public speaking state that once your outline is ready, two-thirds of your speech writing is finished. A good outline helps you see that all the ideas are in line with your main idea or message. The elements of an outline include introduction, body, and conclusion. Write your outline based on how you want your ideas to develop. Below are some of the suggested formats.

The body of the speech provides explanations, examples, or any details that can help you deliver your purpose and explain the main idea of your speech. One major consideration in developing the body of your speech is the focus or central idea. The body of your speech should only have one central idea.

The following are some strategies to highlight your main idea.

  • Present real-life or practical examples
  • Show statistics
  • Present comparisons
  • Share ideas from the experts or practitioners

The introduction is the foundation of your speech. Here, your primary goal is to get the attention of your audience and present the subject or main idea of your speech. Your first few words should do so. The following are some strategies.

  • Use a real-life experience and connect that experience to your subject.
  • Use practical examples and explain their connection to your subject.
  • Start with a familiar or strong quote and then explain what it means.
  • Use facts or statistics and highlight their importance to your subject.
  • Tell a personal story to illustrate your point.

The conclusion restates the main idea of your speech. Furthermore, it provides a summary, emphasizes the message, and calls for action. While the primary goal of the introduction is to get the attention of your audience, the conclusion aims to leave the audience with a memorable statement.

The following are some strategies.

  • Begin your conclusion with a restatement of your message.
  • Use positive examples, encouraging words, or memorable lines from songs or stories familiar to your audience.
  • Ask a question or series of questions that can make your audience reflect or ponder.

Editing/Revising your written speech involves correcting errors in mechanics, such as grammar, punctuation, capitalization, unity, coherence, and others. Andrew Dlugan (2013), an awar di ng public speaker, lists six power principles for speech editing.

  • Edit for focus.

“So, what’s the point? What’s the message of the speech?”

Ensure that everything you have written, from introduction to conclusion, is related to your central message.

  • Edit for clarity.

“I don’t understand the message because the examples or supporting details were confusing.”

Make all ideas in your speech clear by arranging them in logical order (e.g., main idea first then supporting details, or supporting details first then main idea).

  • Edit for concision.

“The speech was all over the place; the speaker kept talking endlessly as if no one was listening to him/her.”

Keep your speech short, simple, and clear by eliminating unrelated stories and sentences and by using simple words.

  • Edit for continuity.

“The speech was too difficult to follow; I was lost in the middle.”

Keep the flow of your presentation smooth by adding transition words and phrases.

  • Edit for variety.

“I didn’t enjoy the speech because it was boring.”

Add spice to your speech by shifting tone and style from formal to conversational and vice-versa, moving around the stage, or adding humor.

  • Edit for impact and beauty.

“There’s nothing really special about the speech.”

Make your speech memorable by using these strategies: surprise the audience, use vivid descriptive images, write well-crafted and memorable lines, and use figures of speech.

Rehearsing gives you an opportunity to identify what works and what does not work for you and for your target audience. Some strategies include reading your speech aloud, recording for your own analysis or for your peers or coaches to give feedback on your delivery. The best

thing to remember at this stage is: “Constant practice makes perfect.”

Some Guidelines in Speech Writing

1. Keep your words short and simple. Your speech is meant to be heard by your audience, not read.

2. Avoid jargon , acronyms, or technical words because they can confuse your audience.

3. Make your speech more personal. Use the personal pronoun “I,” but take care not to overuse it. When you need to emphasize collectiveness with your audience, use the personal pronoun “we.”

4. Use active verbs and contractions because they add to the personal and conversational tone of your speech.

5. Be sensitive of your audience. Be very careful with your language, jokes, and nonverbal cues.

6. Use metaphors and other figures of speech to effectively convey your point.

7. Manage your time well; make sure that the speech falls under the time limit.

Speech writing is the art of using proper grammar and expression to convey a thought or message to a reader. Speech writing isn’t all that distinct from other types of narrative writing. However, students should be aware of certain distinct punctuation and writing style techniques.   • Pronoun – Pronouns are words that can be used in place of nouns. They are used so that we don’t have to repeat words. This makes our writing and speaking much more natural.
  • Verb – A verb is a term that implies activity or ‘doing.’ These are very vital for your children’s grammar studies, as a sentence cannot be complete without a verb.
  • Adjective – An adjective is a term that describes something. An adjective is frequently used before a noun to add extra information or description.
  • Prepositions- A preposition is a term that expresses the location or timing of something in relation to something else.
  • Conjunction- Because every language has its own set of conjunctions, English conjunctions differ from those found in other languages. They’re typically used as a connecting word between two statements, concepts, or ideas.
  • Interjections- Interjections are words that are used to describe a strong emotion or a sudden feeling.

The way you start your English speech can set the tone for the remainder of it. This semester, there are a variety of options for you to begin presentations in your classes. For example, try some of these engaging speech in English language starters.

  • Rhetorical questions : A rhetorical question is a figure of speech that uses a question to convey a point rather than asking for a response. The answer to a rhetorical question may be clear, yet the questioner asks it to emphasize the point. Rhetorical questions may be a good method for students to start their English speeches. This method of introducing your material might be appealing to the viewers and encourage them to consider how they personally relate to your issue.
  • Statistics: When making an instructive or persuasive speech in an English class, statistics can help to strengthen the speaker’s authority and understanding of the subject. Format of Speech Writing

Here is the format of Speech Writing:

  • Introduction : Greet the audience, tell them about yourself and further introduce the topic.
  • Body : Present the topic in an elaborate way, explaining its key features, pros and cons, if any and the like.
  • Conclusion : Summary of your speech, wrap up the topic and leave your audience with a compelling reminder to think about!

Let’s further understand each element of the format of Speech Writing in further detail:

After the greetings, the Introduction has to be attention-getting. Quickly get people’s attention. The goal of a speech is to engage the audience and persuade them to think or act in your favour. The introduction must effectively include: 

  • A brief preview of your topic. 
  • Define the outlines of your speech. (For example, I’ll be talking about…First..Second…Third)
  • Begin with a story, quote, fact, joke, or observation in the room. It shouldn’t be longer than 3-4 lines. (For Example: “Mahatma Gandhi said once…”, or “This topic reminds me of an incident/story…”)

This part is also important because that’s when your audience decides if the speech is worth their time. Keep your introduction factual, interesting, and convincing.

It is the most important part of any speech. You should provide a number of reasons and arguments to convince the audience to agree with you.

Handling objections is an important aspect of speech composition. There is no time for questions or concerns since a speech is a monologue. Any concerns that may occur during the speech will be addressed by a powerful speech. As a result, you’ll be able to respond to questions as they come in from the crowd. To make speech simpler you can prepare a flow chart of the details in a systematic way.

For example: If your speech is about waste management; distribute information and arrange it according to subparagraphs for your reference. It could include:

  • What is Waste Management?
  • Major techniques used to manage waste
  • Advantages of Waste Management  
  • Importance of Waste Management 

The conclusion should be something that the audience takes with them. It could be a reminder, a collective call to action, a summary of your speech, or a story. For example: “It is upon us to choose the fate of our home, the earth by choosing to begin waste management at our personal spaces.”

After concluding, add a few lines of gratitude to the audience for their time.

For example: “Thank you for being a wonderful audience and lending me your time. Hope this speech gave you something to take away.”

Before you start writing, you need to decide exactly what you’ll write about and do the necessary research.

Coming up with a topic

If you have to come up with your own topic for an assignment, think of what you’ve covered in class— is there a particular area that intrigued, interested, or even confused you? Topics that left you with additional questions are perfect, as these are questions you can explore in your writing.

The scope depends on what type of text you’re writing—for example, an essay or a research paper will be less in-depth than a dissertation topic . Don’t pick anything too ambitious to cover within the word count, or too limited for you to find much to say.

Narrow down your idea to a specific argument or question. For example, an appropriate topic for an essay might be narrowed down like this:

Doing the research

Once you know your topic, it’s time to search for relevant sources and gather the information you need. This process varies according to your field of study and the scope of the assignment. It might involve:

  • Searching for primary and secondary sources .
  • Reading the relevant texts closely (e.g. for literary analysis ).
  • Collecting data using relevant research methods (e.g. experiments , interviews or surveys )

From a writing perspective, the important thing is to take plenty of notes while you do the research. Keep track of the titles, authors, publication dates, and relevant quotations from your sources; the data you gathered; and your initial analysis or interpretation of the questions you’re addressing.

Once you have a clear idea of your structure, it’s time to produce a full first draft.

This process can be quite non-linear. For example, it’s reasonable to begin writing with the main body of the text, saving the introduction for later once you have a clearer idea of the text you’re introducing.

To give structure to your writing, use your outline as a framework. Make sure that each paragraph has a clear central focus that relates to your overall argument.

The character of Mrs. Norris provides another example of the performance of morals in Mansfield Park . Early in the novel, she is described in scathing terms as one who knows “how to dictate liberality to others: but her love of money was equal to her love of directing” (p. 7). This hypocrisy does not interfere with her self-conceit as “the most liberal-minded sister and aunt in the world” (p. 7). Mrs. Norris is strongly concerned with appearing charitable, but unwilling to make any personal sacrifices to accomplish this. Instead, she stage-manages the charitable actions of others, never acknowledging that her schemes do not put her own time or money on the line. In this way, Austen again shows us a character whose morally upright behavior is fundamentally a performance—for whom the goal of doing good is less important than the goal of seeming good.

When you move onto a different topic, start a new paragraph. Use appropriate transition words and phrases to show the connections between your ideas.

The goal at this stage is to get a draft completed, not to make everything perfect as you go along. Once you have a full draft in front of you, you’ll have a clearer idea of where improvement is needed.

Give yourself a first draft deadline that leaves you a reasonable length of time to revise, edit, and proofread before the final deadline. For a longer text like a dissertation, you and your supervisor might agree on deadlines for individual chapters.

Now it’s time to look critically at your first draft and find potential areas for improvement. Redrafting means substantially adding or removing content, while revising involves making changes to structure and reformulating arguments.

Evaluating the first draft

It can be difficult to look objectively at your own writing. Your perspective might be positively or negatively biased—especially if you try to assess your work shortly after finishing it.

It’s best to leave your work alone for at least a day or two after completing the first draft. Come back after a break to evaluate it with fresh eyes; you’ll spot things you wouldn’t have otherwise.

When evaluating your writing at this stage, you’re mainly looking for larger issues such as changes to your arguments or structure. Starting with bigger concerns saves you time—there’s no point perfecting the grammar of something you end up cutting out anyway.

Right now, you’re looking for:

  • Arguments that are unclear or illogical.
  • Areas where information would be better presented in a different order.
  • Passages where additional information or explanation is needed.
  • Passages that are irrelevant to your overall argument.

For example, in our paper on Mansfield Park , we might realize the argument would be stronger with more direct consideration of the protagonist Fanny Price, and decide to try to find space for this in paragraph IV.

For some assignments, you’ll receive feedback on your first draft from a supervisor or peer. Be sure to pay close attention to what they tell you, as their advice will usually give you a clearer sense of which aspects of your text need improvement.

Redrafting and revising

Once you’ve decided where changes are needed, make the big changes first, as these are likely to have knock-on effects on the rest. Depending on what your text needs, this step might involve:

  • Making changes to your overall argument.
  • Reordering the text.
  • Cutting parts of the text.
  • Adding new text.

You can go back and forth between writing, redrafting and revising several times until you have a final draft that you’re happy with.

Think about what changes you can realistically accomplish in the time you have. If you are running low on time, you don’t want to leave your text in a messy state halfway through redrafting, so make sure to prioritize the most important changes.

Editing focuses on local concerns like clarity and sentence structure. Proofreading involves reading the text closely to remove typos and ensure stylistic consistency. You can check all your drafts and texts in minutes with an AI proofreader .

Editing for grammar and clarity

When editing, you want to ensure your text is clear, concise, and grammatically correct. You’re looking out for:

  • Grammatical errors.
  • Ambiguous phrasings.

In your initial draft, it’s common to end up with a lot of sentences that are poorly formulated. Look critically at where your meaning could be conveyed in a more effective way or in fewer words, and watch out for common sentence structure mistakes like run-on sentences and sentence fragments:

  • Missing words.
  • Confused word choices .
  • Punctuation errors .
  • Missing or excess spaces.

Use a grammar checker , but be sure to do another manual check after. Read through your text line by line, watching out for problem areas highlighted by the software but also for any other issues it might have missed.

Proofreading for stylistic consistency

There are several issues in academic writing where you can choose between multiple different standards. For example:

  • Whether you use the serial comma .
  • Whether you use American or British spellings and punctuation (you can use a punctuation checker for this).
  • Where you use numerals vs. words for numbers.
  • How you capitalize your titles and headings.

Unless you’re given specific guidance on these issues, it’s your choice which standards you follow. The important thing is to consistently follow one standard for each issue. For example, don’t use a mixture of American and British spellings in your paper.

Additionally, you will probably be provided with specific guidelines for issues related to format (how your text is presented on the page) and citations (how you acknowledge your sources). Always follow these instructions carefully.

Think of a speech like an essay. It should have an introduction, conclusion, and body sections in between. This places ideas in a logical order that the audience can better understand and follow them. Learning how to make a speech with an outline gives your storytelling the scaffolding it needs to get its point across.

Here’s a general speech structure to guide your writing process:

How to write a compelling speech opener

Some research shows that engaged audiences pay attention for only 15 to 20 minutes at a time. Other estimates are even lower, citing that people stop listening intently in fewer than 10 minutes . If you make a good first impression at the beginning of your speech, you have a better chance of interesting your audience through the middle when attention spans fade. 

Implementing the INTRO model can help grab and keep your audience’s attention as soon as you start speaking. This acronym stands for interest, need, timing, roadmap, and objectives, and it represents the key points you should hit in an opening.

  • Interest : Introduce yourself or your topic concisely and speak with confidence . Write a compelling opening statement using relevant data or an anecdote that the audience can relate to.
  • Needs : The audience is listening to you because they have something to learn. If you’re pitching a new app idea to a panel of investors, those potential partners want to discover more about your product and what they can earn from it. Read the room and gently remind them of the purpose of your speech. 
  • Timing : When appropriate, let your audience know how long you’ll speak. This lets listeners set expectations and keep tabs on their own attention span. If a weary audience member knows you’ll talk for 40 minutes, they can better manage their energy as that time goes on. 
  • Routemap : Give a brief overview of the three main points you’ll cover in your speech. If an audience member’s attention starts to drop off and they miss a few sentences, they can more easily get their bearings if they know the general outline of the presentation.

Your message should be the central idea that you want your audience to take away from your speech. Let's say you're giving a speech on climate change. Your clear message might be something like, "Individual actions can make a significant impact on mitigating climate change." Throughout your speech, all your points and examples should support this central message, reinforcing it for your audience.

4. Structure your speech

Organizing your speech properly keeps your audience engaged and helps them follow your ideas. The introduction should grab your audience's attention and introduce the topic. Establish your voice — one that aligns with your personality and values — and stick with it. If you’re a motivational speaker, keep your tone upbeat to inspire your audience . If you’re the CEO of a startup, try sounding assured but approachable. 

4. Practice

As you practice a speech, you become more confident , gain a better handle on the material, and learn the outline so well that unexpected questions are less likely to trip you up. Practice in front of a colleague or friend for honest feedback about what you could change, and speak in front of the mirror to tweak your nonverbal communication and body language .

When you’re stressed, you breathe more rapidly . It can be challenging to talk normally when you can’t regulate your breath.   • Interview the speaker : Have a detailed conversation with the speaker to gather information about their speech's purpose, target audience, key messages, and any specific points they want to emphasize. Ask for personal stories or examples they may want to include.
  • Research thoroughly : Research the topic to ensure you have a strong foundation of knowledge. This helps you craft a well-informed and credible speech.
  • Create an outline : Develop a clear outline that includes the introduction, main points, supporting evidence, and a conclusion. Share this outline with the speaker for their input and approval.
  • Write in the speaker's voice : While crafting the speech, maintain the speaker's voice and style. Use language and phrasing that feel natural to them. If they have a particular way of expressing ideas, incorporate that into the speech.
  • Craft a captivating opening : Begin the speech with a compelling opening that grabs the audience's attention. This could be a relevant quote, an interesting fact, a personal anecdote, or a thought-provoking question.
  • Organize content logically : Ensure the speech flows logically, with each point building on the previous one. Use transitions to guide the audience from one idea to the next smoothly.
  • Incorporate engaging stories and examples : Include anecdotes, stories, and real-life examples that illustrate key points and make the speech relatable and memorable.
  • Edit and revise : Edit the speech carefully for clarity, grammar, and coherence. Ensure the speech is the right length and aligns with the speaker's time constraints.
  • Seek feedback : Share drafts of the speech with the speaker for their feedback and revisions. They may have specific changes or additions they'd like to make.
  • Practice delivery : If possible, work with the speaker on their delivery. Practice the speech together, allowing the speaker to become familiar with the content and your writing style.
  • Maintain confidentiality : As a ghostwriter, it's essential to respect the confidentiality and anonymity of the work. Do not disclose that you wrote the speech unless you have the speaker's permission to do so.
  • Be flexible : Be open to making changes and revisions as per the speaker's preferences. Your goal is to make them look good and effectively convey their message.
  • Meet deadlines : Stick to agreed-upon deadlines for drafts and revisions. Punctuality and reliability are essential in ghostwriting.
  • Provide support : Support the speaker during their preparation and rehearsal process. This can include helping with cue cards, speech notes, or any other materials they need.

Remember that successful ghostwriting is about capturing the essence of the speaker while delivering a well-structured and engaging speech. Collaboration, communication, and adaptability are key to achieving this.

Put the effort into writing and preparing your content, and aim to improve your breathing, eye contact , and body language as you practice. How to write a good speech in 7 steps

Did you know writing a speech doesn't have be an anxious, nail biting experience?

Unsure? Don't be.

You may have lived with the idea you were never good with words for a long time. Or perhaps giving speeches at school brought you out in cold sweats.

However learning how to write a speech is relatively straight forward when you learn to write out loud.

And that's the journey I am offering to take you on: step by step.

To learn quickly, go slow

Take all the time you need. This speech format has 7 steps, each building on the next.

Walk, rather than run, your way through all of them. Don't be tempted to rush. Familiarize yourself with the ideas. Try them out.

I know there are well-advertised short cuts and promises of 'write a speech in 5 minutes'. However in reality they only truly work for somebody who already has the basic foundations of speech writing in place.

The foundation of good speech writing 

These steps are the backbone of sound speech preparation. Learn and follow them well at the outset and yes, given more experience and practice you could probably flick something together quickly. Like any skill, the more it's used, the easier it gets.

Step 1: Begin with a speech overview or outline

Are you in a hurry? Without time to read a whole page? Grab ... The Quick How to Write a Speech Checklist And come back to get the details later.

  • WHO you are writing your speech for (your target audience)
  • WHY you are preparing this speech. What's the main purpose of your speech? Is it to inform or tell your audience about something? To teach them a new skill or demonstrate something? To persuade or to entertain? (See 4 types of speeches: informative, demonstrative, persuasive and special occasion or entertaining for more.) What do you want them to think, feel or do as a result of listening the speech?
  • WHAT your speech is going to be about (its topic) - You'll want to have thought through your main points and have ranked them in order of importance. And have sorted the supporting research you need to make those points effectively.
  • HOW much time you have for your speech eg. 3 minutes, 5 minutes... The amount of time you've been allocated dictates how much content you need. Use an outline

The best way to make sure you deliver a perfect speech is to start by carefully completing a speech outline covering the essentials: WHO, WHY, WHAT and HOW.

Beginning to write without thinking your speech through is a bit like heading off on a journey not knowing why you're traveling or where you're going to end up. You can find yourself lost in a deep, dark, murky muddle of ideas very quickly!

Pulling together a speech overview or outline is a much safer option. It's the map you'll follow to get where you want to go.

Understanding speech construction

Before you begin to write, using your completed outline as a guide, let's briefly look at what you're aiming to prepare.

  • an opening or introduction
  • the body where the bulk of the information is given
  • and an ending (or summary).

Imagine your speech as a sandwich

If you think of a speech as a sandwich you'll get the idea.

The opening and ending are the slices of bread holding the filling (the major points or the body of your speech) together.

You can build yourself a simple sandwich with one filling (one big idea) or you could go gourmet and add up to three or, even five. The choice is yours.

But whatever you choose to serve, as a good cook, you need to consider who is going to eat it! And that's your audience.

So let's find out who they are before we do anything else. 

Step 2: Know who you are talking to

Understanding your audience.

Did you know a  good speech is never written from the speaker's point of view?  ( If you need to know more about why check out this page on  building rapport .)

Begin with the most important idea/point on your outline.

Consider HOW you can explain (show, tell) that to your audience in the most effective way for them to easily understand it.   

Writing from the audience's point of view

To help you write from an audience point of view, it's a good idea to identify either a real person or the type of person who is most likely to be listening to you.

Make sure you select someone who represents the "majority" of the people who will be in your audience. That is they are neither struggling to comprehend you at the bottom of your scale or light-years ahead at the top.

Now imagine they are sitting next to you eagerly waiting to hear what you're going to say. Give them a name, for example, Joe, to help make them real.

Ask yourself

  • How do I need to tailor my information to meet Joe's needs? For example, do you tell personal stories to illustrate your main points? Absolutely! Yes. This is a very powerful technique. (Click storytelling in speeches to find out more.)
  • What type or level of language is right for Joe as well as my topic? For example if I use jargon (activity, industry or profession specific vocabulary) will it be understood?

Step 3: Writing as you speak

Writing oral language.

Write down what you want to say about your first main point as if you were talking directly to Joe.

If it helps, say it all out loud before you write it down and/or record it.

You do not have to write absolutely everything you're going to say down * but you do need to write down, or outline, the sequence of ideas to ensure they are logical and easily followed.

Remember too, to explain or illustrate your point with examples from your research. 

( * Tip: If this is your first speech the safety net of having everything written down could be just what you need. It's easier to recover from a patch of jitters when you have a word by word manuscript than if you have either none, or a bare outline. Your call!)

Step 4: Checking tone and language

The focus of this step is re-working what you've done in Step 2 and 3.

You identified who you were talking to (Step 2) and in Step 3, wrote up your first main point.  Is it right? Have you made yourself clear?  Check it.

How well you complete this step depends on how well you understand the needs of the people who are going to listen to your speech.

Please do not assume because you know what you're talking about the person (Joe) you've chosen to represent your audience will too. Joe is not a mind-reader!

How to check what you've prepared

  • Check the "tone" of your language . Is it right for the occasion, subject matter and your audience?
  • Check the length of your sentences. You need short sentences. If they're too long or complicated you risk losing your listeners.

Check for jargon too. These are industry, activity or group exclusive words.

For instance take the phrase: authentic learning . This comes from teaching and refers to connecting lessons to the daily life of students. Authentic learning is learning that is relevant and meaningful for students. If you're not a teacher you may not understand the phrase.

The use of any vocabulary requiring insider knowledge needs to be thought through from the audience perspective. Jargon can close people out.

  • Read what you've written out loud. If it flows naturally, in a logical manner, continue the process with your next main idea. If it doesn't, rework.

We use whole sentences and part ones, and we mix them up with asides or appeals e.g. "Did you get that? Of course you did. Right...Let's move it along. I was saying ..."

And now repeat the process

Repeat this process for the remainder of your main ideas.

Because you've done the first one carefully, the rest should follow fairly easily.

Step 5: Use transitions

Providing links or transitions between main ideas.

Between each of your main ideas you need to provide a bridge or pathway for your audience. The clearer the pathway or bridge, the easier it is for them to make the transition from one idea to the next.

If your speech contains more than three main ideas and each is building on the last, then consider using a "catch-up" or summary as part of your transitions.

Link/transition examples

A link can be as simple as:

"We've explored one scenario for the ending of Block Buster 111, but let's consider another. This time..."

What follows this transition is the introduction of Main Idea Two.

Here's a summarizing link/transition example:

"We've ended Blockbuster 111 four ways so far. In the first, everybody died. In the second, everybody died BUT their ghosts remained to haunt the area. In the third, one villain died. His partner reformed and after a fight-out with the hero, they both strode off into the sunset, friends forever. In the fourth, the hero dies in a major battle but is reborn sometime in the future.

And now what about one more? What if nobody died? The fifth possibility..."

Go back through your main ideas checking the links. Remember Joe as you go. Try each transition or link out loud and really listen to yourself. Is it obvious? Easily followed?

Keep them if they are clear and concise.

Step 6: The end of your speech

The ideal ending is highly memorable . You want it to live on in the minds of your listeners long after your speech is finished. Often it combines a call to action with a summary of major points.

Example speech endings

Example 1: The desired outcome of a speech persuading people to vote for you in an upcoming election is that they get out there on voting day and do so. You can help that outcome along by calling them to register their support by signing a prepared pledge statement as they leave.

"We're agreed we want change. You can help us give it to you by signing this pledge statement as you leave. Be part of the change you want to see!

Example 2: The desired outcome is increased sales figures. The call to action is made urgent with the introduction of time specific incentives.

"You have three weeks from the time you leave this hall to make that dream family holiday in New Zealand yours. Can you do it? Will you do it? The kids will love it. Your wife will love it. Do it now!"

How to figure out the right call to action

A clue for working out what the most appropriate call to action might be, is to go back to your original purpose for giving the speech.

  • Was it to motivate or inspire?
  • Was it to persuade to a particular point of view?
  • Was it to share specialist information?
  • Was it to celebrate a person, a place, time or event?

Ask yourself what you want people to do as a result of having listened to your speech.

Write and test

Write your ending and test it out loud. Try it out on a friend, or two. Is it good? Does it work?

Step 7: The introduction

Once you've got the filling (main ideas) the linking and the ending in place, it's time to focus on the introduction.

The introduction comes last as it's the most important part of your speech. This is the bit that either has people sitting up alert or slumped and waiting for you to end. It's the tone setter!

What makes a great speech opening?

Ideally you want an opening that makes listening to you the only thing the 'Joes' in the audience want to do.

You want them to forget they're hungry or that their chair is hard or that their bills need paying.

The way to do that is to capture their interest straight away. You do this with a "hook".

Hooks to catch your audience's attention

Hooks come in as many forms as there are speeches and audiences. Your task is work out what specific hook is needed to catch your audience.

Go back to the purpose. Why are you giving this speech?

Once you have your answer, consider your call to action. What do you want the audience to do, and, or take away, as a result of listening to you?

Next think about the imaginary or real person you wrote for when you were focusing on your main ideas.

Choosing the best hook

  • Is it humor?
  • Would shock tactics work?
  • Is it a rhetorical question?
  • Is it formality or informality?
  • Is it an outline or overview of what you're going to cover, including the call to action?
  • Or is it a mix of all these elements?

A hook example

Here's an example from a fictional political speech. The speaker is lobbying for votes. His audience are predominately workers whose future's are not secure.

"How's your imagination this morning? Good? (Pause for response from audience) Great, I'm glad. Because we're going to put it to work starting right now.

I want you to see your future. What does it look like? Are you happy? Is everything as you want it to be? No? Let's change that. We could do it. And we could do it today.

At the end of this speech you're going to be given the opportunity to change your world, for a better one ...

No, I'm not a magician. Or a simpleton with big ideas and precious little commonsense. I'm an ordinary man, just like you. And I have a plan to share!"

And then our speaker is off into his main points supported by examples. The end, which he has already foreshadowed in his opening, is the call to vote for him.

Prepare several hooks

Experiment with several openings until you've found the one that serves your audience, your subject matter and your purpose best.

That completes the initial seven steps towards writing your speech. If you've followed them all the way through, congratulations, you now have the text of your speech!

Although you might have the words, you're still a couple of steps away from being ready to deliver them. Both of them are essential if you want the very best outcome possible. They are below. Please take them.

Step 8: Checking content and timing

This step pulls everything together.

Check once, check twice, check three times & then once more!

Go through your speech really carefully.

On the first read through check you've got your main points in their correct order with supporting material, plus an effective introduction and ending.

On the second read through check the linking passages or transitions making sure they are clear and easily followed.

On the third reading check your sentence structure, language use and tone.

Double, triple check the timing

Now go though once more.

This time read it aloud slowly and time yourself.

If it's too long for the time allowance you've been given make the necessary cuts.

Start by looking at your examples rather than the main ideas themselves. If you've used several examples to illustrate one principal idea, cut the least important out.

Also look to see if you've repeated yourself unnecessarily or, gone off track. If it's not relevant, cut it.

Repeat the process, condensing until your speech fits the required length, preferably coming in just under your time limit.

You can also find out how approximately long it will take you to say the words you have by using this very handy words to minutes converter . It's an excellent tool, one I frequently use. While it can't give you a precise time, it does provide a reasonable estimate.

Step 9: Rehearsing your speech

And NOW you are finished with writing the speech, and are ready for REHEARSAL .

Please don't be tempted to skip this step. It is not an extra thrown in for good measure. It's essential.

The "not-so-secret" secret of successful speeches combines good writing with practice, practice and then, practicing some more.

The Quick How to Write a Speech Checklist

Before you begin writing you need:.

  • Your speech OUTLINE with your main ideas ranked in the order you're going to present them. (If you haven't done one complete this 4 step sample speech outline . It will make the writing process much easier.)
  • Your RESEARCH
  • You also need to know WHO you're speaking to, the PURPOSE of the speech and HOW long you're speaking for

The basic format

  • the body where you present your main ideas

Split your time allowance so that you spend approximately 70% on the body and 15% each on the introduction and ending.

How to write the speech

  • Write your main ideas out incorporating your examples and research
  • Link them together making sure each flows in a smooth, logical progression
  • Write your ending, summarizing your main ideas briefly and end with a call for action
  • Write your introduction considering the 'hook' you're going to use to get your audience listening
  • An often quoted saying to explain the process is: Tell them what you're going to tell them (Introduction) Tell them (Body of your speech - the main ideas plus examples) Tell them what you told them (The ending)

TEST before presenting. Read aloud several times to check the flow of material, the suitability of language and the timing.

What this handout is about

This handout will help you create an effective speech by establishing the purpose of your speech and making it easily understandable. It will also help you to analyze your audience and keep the audience interested.

What’s different about a speech?

Writing for public speaking isn’t so different from other types of writing. You want to engage your audience’s attention, convey your ideas in a logical manner and use reliable evidence to support your point. But the conditions for public speaking favor some writing qualities over others. When you write a speech, your audience is made up of listeners. They have only one chance to comprehend the information as you read it, so your speech must be well-organized and easily understood. In addition, the content of the speech and your delivery must fit the audience.

What’s your purpose?

People have gathered to hear you speak on a specific issue, and they expect to get something out of it immediately. And you, the speaker, hope to have an immediate effect on your audience. The purpose of your speech is to get the response you want. Most speeches invite audiences to react in one of three ways: feeling, thinking, or acting. For example, eulogies encourage emotional response from the audience; college lectures stimulate listeners to think about a topic from a different perspective; protest speeches in the Pit recommend actions the audience can take.

As you establish your purpose, ask yourself these questions:

  • What do you want the audience to learn or do?
  • If you are making an argument, why do you want them to agree with you?
  • If they already agree with you, why are you giving the speech?
  • How can your audience benefit from what you have to say?

Audience analysis

If your purpose is to get a certain response from your audience, you must consider who they are (or who you’re pretending they are). If you can identify ways to connect with your listeners, you can make your speech interesting and useful.

As you think of ways to appeal to your audience, ask yourself:

  • What do they have in common? Age? Interests? Ethnicity? Gender?
  • Do they know as much about your topic as you, or will you be introducing them to new ideas?
  • Why are these people listening to you? What are they looking for?
  • What level of detail will be effective for them?
  • What tone will be most effective in conveying your message?
  • What might offend or alienate them?

Creating an effective introduction

Get their attention, otherwise known as “the hook”.

Think about how you can relate to these listeners and get them to relate to you or your topic. Appealing to your audience on a personal level captures their attention and concern, increasing the chances of a successful speech. Speakers often begin with anecdotes to hook their audience’s attention. Other methods include presenting shocking statistics, asking direct questions of the audience, or enlisting audience participation.

Establish context and/or motive

Explain why your topic is important. Consider your purpose and how you came to speak to this audience. You may also want to connect the material to related or larger issues as well, especially those that may be important to your audience.

Get to the point

Tell your listeners your thesis right away and explain how you will support it. Don’t spend as much time developing your introductory paragraph and leading up to the thesis statement as you would in a research paper for a course. Moving from the intro into the body of the speech quickly will help keep your audience interested. You may be tempted to create suspense by keeping the audience guessing about your thesis until the end, then springing the implications of your discussion on them. But if you do so, they will most likely become bored or confused.

Making your speech easy to understand

Repeat crucial points and buzzwords.

Especially in longer speeches, it’s a good idea to keep reminding your audience of the main points you’ve made. For example, you could link an earlier main point or key term as you transition into or wrap up a new point. You could also address the relationship between earlier points and new points through discussion within a body paragraph. Using buzzwords or key terms throughout your paper is also a good idea. If your thesis says you’re going to expose unethical behavior of medical insurance companies, make sure the use of “ethics” recurs instead of switching to “immoral” or simply “wrong.” Repetition of key terms makes it easier for your audience to take in and connect information.

Incorporate previews and summaries into the speech

For example:

“I’m here today to talk to you about three issues that threaten our educational system: First, … Second, … Third,”

“I’ve talked to you today about such and such.”

These kinds of verbal cues permit the people in the audience to put together the pieces of your speech without thinking too hard, so they can spend more time paying attention to its content.

Use especially strong transitions

This will help your listeners see how new information relates to what they’ve heard so far. If you set up a counterargument in one paragraph so you can demolish it in the next, begin the demolition by saying something like,

“But this argument makes no sense when you consider that . . . .”

If you’re providing additional information to support your main point, you could say,

“Another fact that supports my main point is . . . .”

Helping your audience listen

Rely on shorter, simpler sentence structures.

Don’t get too complicated when you’re asking an audience to remember everything you say. Avoid using too many subordinate clauses, and place subjects and verbs close together.

Limit pronoun use

Listeners may have a hard time remembering or figuring out what “it,” “they,” or “this” refers to. Be specific by using a key noun instead of unclear pronouns.

The U.S. government has failed to protect us from the scourge of so-called reality television, which exploits sex, violence, and petty conflict, and calls it human nature. This cannot continue.

Why the last sentence is unclear: “This” what? The government’s failure? Reality TV? Human nature?

More specific:

Keeping audience interest

Incorporate the rhetorical strategies of ethos, pathos, and logos.

When arguing a point, using ethos, pathos, and logos can help convince your audience to believe you and make your argument stronger. Ethos refers to an appeal to your audience by establishing your authenticity and trustworthiness as a speaker. If you employ pathos, you appeal to your audience’s emotions. Using logos includes the support of hard facts, statistics, and logical argumentation. The most effective speeches usually present a combination these rhetorical strategies.

Use statistics and quotations sparingly

Include only the most striking factual material to support your perspective, things that would likely stick in the listeners’ minds long after you’ve finished speaking. Otherwise, you run the risk of overwhelming your listeners with too much information.

Watch your tone

Be careful not to talk over the heads of your audience. On the other hand, don’t be condescending either. And as for grabbing their attention, yelling, cursing, using inappropriate humor, or brandishing a potentially offensive prop (say, autopsy photos) will only make the audience tune you out.

Creating an effective conclusion

Restate your main points, but don’t repeat them.

“I asked earlier why we should care about the rain forest. Now I hope it’s clear that . . .” “Remember how Mrs. Smith couldn’t afford her prescriptions? Under our plan, . . .”

Call to action

Speeches often close with an appeal to the audience to take action based on their new knowledge or understanding. If you do this, be sure the action you recommend is specific and realistic. For example, although your audience may not be able to affect foreign policy directly, they can vote or work for candidates whose foreign policy views they support. Relating the purpose of your speech to their lives not only creates a connection with your audience, but also reiterates the importance of your topic to them in particular or “the bigger picture.”

Practicing for effective presentation

Once you’ve completed a draft, read your speech to a friend or in front of a mirror. When you’ve finished reading, ask the following questions:

  • Which pieces of information are clearest?
  • Where did I connect with the audience?
  • Where might listeners lose the thread of my argument or description?
  • Where might listeners become bored?
  • Where did I have trouble speaking clearly and/or emphatically?
  • Did I stay within my time limit?

3.6: The Speech Communication Process

Most who study the speech communication process agree that there are several critical components present in nearly every speech. We have chosen in this text to label these components using the following terms:

  • Listener(s)

Interference

As you might imagine, the speaker is the crucial first element within the speech communication process. Without a speaker, there is no process.  The  speaker  is simply the person who is delivering, or presenting, the speech.  A speaker might be someone who is training employees in your workplace. Your professor is another example of a public speaker as s/he gives a lecture. Even a stand-up comedian can be considered a public speaker. After all, each of these people is presenting an oral message to an audience in a public setting. Most speakers, however, would agree that the listener is one of the primary reasons that they speak.

The listener is just as important as the speaker; neither one is effective without the other.  The  listener  is the person or persons who have assembled to hear the oral message.  Some texts might even call several listeners an “audience. ” The listener generally forms an opinion as to the effectiveness of the speaker and the validity of the speaker’s message based on what they see and hear during the presentation. The listener’s job sometimes includes critiquing, or evaluating, the speaker’s style and message. You might be asked to critique your classmates as they speak or to complete an evaluation of a public speaker in another setting. That makes the job of the listener extremely important. Providing constructive feedback to speakers often helps the speaker improve her/his speech tremendously.

Another crucial element in the speech process is the message.  The  message  is what the speaker is discussing or the ideas that s/he is presenting to you as s/he covers a particular topic.  The important chapter concepts presented by your professor become the message during a lecture. The commands and steps you need to use, the new software at work, are the message of the trainer as s/he presents the information to your department. The message might be lengthy, such as the President’s State of the Union address, or fairly brief, as in a five-minute presentation given in class.

The  channel  is the means by which the message is sent or transmitted.  Different channels are used to deliver the message, depending on the communication type or context. For instance, in mass communication, the channel utilized might be a television or radio broadcast. The use of a cell phone is an example of a channel that you might use to send a friend a message in interpersonal communication. However, the channel typically used within public speaking is the speaker’s voice, or more specifically, the sound waves used to carry the voice to those listening. You could watch a prerecorded speech or one accessible on YouTube, and you might now say the channel is the television or your computer. This is partially true. However, the speech would still have no value if the speaker’s voice was not present, so in reality, the channel is now a combination of the two -the speaker’s voice broadcast through an electronic source.

The context is a bit more complicated than the other elements we have discussed so far. The context is more than one specific component. For example, when you give a speech in your classroom, the classroom, or  the physical location of your speech, is part of the context  . That’s probably the easiest part of context to grasp.

But you should also consider that the  people in your audience expect you to behave in a certain manner, depending on the physical location or the occasion of the presentation  . If you gave a toast at a wedding, the audience wouldn’t be surprised if you told a funny story about the couple or used informal gestures such as a high-five or a slap on the groom’s back. That would be acceptable within the expectations of your audience, given the occasion. However, what if the reason for your speech was the presentation of a eulogy at a loved one’s funeral? Would the audience still find a high-five or humor as acceptable in that setting? Probably not. So the expectations of your audience must be factored into context as well.

The cultural rules -often unwritten and sometimes never formally communicated to us -are also a part of the context. Depending on your culture, you would probably agree that there are some “rules ” typically adhered to by those attending a funeral. In some cultures, mourners wear dark colors and are somber and quiet. In other cultures, grieving out loud or beating one’s chest to show extreme grief is traditional. Therefore,  the rules from our culture  -no matter what they are -play a part in the context as well.

Every speaker hopes that her/his speech is clearly understood by the audience. However, there are times when some obstacle gets in the way of the message and interferes with the listener’s ability to hear what’s being said.  This is  interference  , or you might have heard it referred to as “noise. ”  Every speaker must prepare and present with the assumption that interference is likely to be present in the speaking environment.

Interference can be mental, physical, or physiological.  Mental interference  occurs when the listener is not fully focused on what s/he is hearing due to her/his own thoughts.  If you’ve ever caught yourself daydreaming in class during a lecture, you’re experiencing mental interference. Your own thoughts are getting in the way of the message.

A second form of interference is  physical interference  . This is noise in the literal sense -someone coughing behind you during a speech or the sound of a mower outside the classroom window. You may be unable to hear the speaker because of the surrounding environmental noises.

The last form of interference is  physiological  . This type of interference occurs when your body is responsible for the blocked signals. A deaf person, for example, has the truest form of physiological interference; s/he may have varying degrees of difficulty hearing the message. If you’ve ever been in a room that was too cold or too hot and found yourself not paying attention, you’re experiencing physiological interference. Your bodily discomfort distracts from what is happening around you.

The final component within the speech process is feedback. While some might assume that the speaker is the only one who sends a message during a speech, the reality is that the  listeners in the audience are sending a message of their own, called  feedback  .  Often this is how the speaker knows if s/he is sending an effective message. Occasionally the feedback from listeners comes in verbal form – questions from the audience or an angry response from a listener about a key point presented. However, in general, feedback during a presentation is typically non-verbal -a student nodding her/his head in agreement or a confused look from an audience member. An observant speaker will scan the audience for these forms of feedback, but keep in mind that non-verbal feedback is often more difficult to spot and to decipher. For example, is a yawn a sign of boredom, or is it simply a tired audience member?

Generally, all of the above elements are present during a speech. However, you might wonder what the process would look like if we used a diagram to illustrate it. Initially, some students think of public speaking as a linear process -the speaker sending a message to the listener -a simple, straight line. But if you’ll think about the components we’ve just covered, you begin to see that a straight line cannot adequately represent the process, when we add listener feedback into the process. The listener is sending her/his own message back to the speaker, so perhaps the process might better be represented as circular. Add in some interference and place the example in context, and you have a more complete idea of the speech process.

The central point is the message you attempt to communicate to your audience. Keeping focus on the central point is fundamental to speech writing.

Sometimes the central point is a thesis; sometimes the central point is a hypothesis. Sometimes, there is no stated thesis or hypothesis, but there is always a central idea and purpose that keeps you and your audience focused.

A thesis is a concise statement of your central point, normally included in the introduction and conclusion of a speech. However, your speech doesn’t have to be an argumentative to include a thesis statement.

A purpose statement is a clear statement about the objective you hope to accomplish. Whenever you write a speech, you have a purpose statement, although the purpose statement isn’t always explicitly stated—and it can get confused with a thesis statement. For help with the differences between a thesis and a purpose statement, we recommend “Thesis and Purpose Statements” by The Writing Center, University of Wisconsin-Madison.

The thesis is what you argue, and the main points are how you argue it. Because they’re so intertwined, you should carefully consider the main supporting points as you write your thesis. In other words, figure out what you intend to say before you try to capture it in a thesis.

Below are a few suggestions that experienced speech writers use when writing thesis statements:

  • Use a declarative sentence; not a question.
  • Use a complete sentence.
  • General thesis : “We honor Elie Wiesel for his noble characteristics and his campaign against ethnic oppression.”
  • Specific thesis : “We honor Elie Wiesel for his determination, consistency, and for his faithfulness to Yahweh throughout his life-long campaign against ethnic oppression.”
  • General : Foreign policies in the Middle East.
  • Focused : An analysis of the ways the United States has reacted to economic changes due to the oil industry in the Middle East.
  • Example 1: If you’re speaking to elementary schoolers, it would be inappropriate to use graduate level vocabulary.
  • Example 2: If you’re talking about architecture at an electrical engineering conference, use the thesis to connect the expected topic to the unexpected topic.

Here are a few high quality thesis examples (though possibly obscure topics):

  • “The process the United States would go through to use a nuclear weapon can be broken down into two stages: the command from the president, and the official launch of the nuclear warhead by the crew.”
  • “We honor Elie Wiesel for his determination, consistency, and for his faithfulness to Yahweh throughout his life-long campaign against ethnic oppression.”
  • “Salvador Dali’s surrealist artwork can be identified through its focus on illogical scenes and exploration of the unconscious.”

The main points support your thesis. The thesis is what you argue, the main points are how you argue it. Here are a few suggestions for writing main supporting point sentences:

  • If any of your main points don’t argue in favor of the thesis, either the main point or the thesis needs to be changed.
  • A main point should convey the purpose and focus of its respective section.
  • Use declarative statements and complete sentences to announce main supporting points.
  • Limit the number of main points for the audience’s sake. If you have more than four it will be hard for the audience to remember.

To reiterate, the main points of a speech are crafted as supporting evidence for the thesis .

If your thesis is: Typical characteristics of 1960’s Latin American fiction include non-linear narratives and magical elements.

The following would be satisfactory main point sentences:

  • Magical elements often appear in 1960s Latin American fiction.
  • Non-linear narratives characterize magical realism in 1960s Latin American fiction.

It will help you to prepare the introduction after preparing the main points. Just consider how challenging it is to introduce a speech if you don’t know what the main ideas of your speech are.

The introduction has two main purposes: to capture the audience’s attention and to state your thesis. Introductions also preview the speech so that the audience knows where it’s headed.

There are many ways to capture the audience’s attention: quotes, statistics, examples, a short story, a fascinating topic, a gracious mention of the event that brings you together, or even a question.

Once you have the audience’s attention, state your thesis. Stating your thesis will inform the audience of the speech’s direction and will focus their attention throughout the speech.

For tips regarding introductions, we recommend the Oral Communication Center, Hamilton College . The tips are short, helpful, and if applied, will improve your introductions.

Finally, it’s also critical throughout the introduction to establish your credibility. For this reason, your introduction should be well practiced and should allow you to communicate confidence. In addition, if you have any expertise on the subject material that you believe your audience needs to know, inform them without being snooty.

Conclusions are the final remarks your audience will hear, so they’re the part that’s most likely to be remembered. So make sure you take the time to craft a clear and memorable conclusion.

In general, a conclusion should restate your central point, though in a new way. This is important because in speeches the audience can’t reread your message; they simply have to rely on memory. Restating your central point—and, depending on what your professor wants, reviewing your main supporting points--will help your message to stick.

Another way to make your speech stick is to use the conclusion to reemphasize your purpose. For example, in a persuasive speech, call people to action. In other words, be blunt about what you want them to do. If you want them to vote, tell them how they can register. If you want them to pick up painting as a hobby, then show them where they can buy painting materials.

Try to make your conclusion memorable.

By this, we mean it’s important to carefully consider your final remark to make sure it concludes on a strong note that fits your purpose. Speakers often trail off in the end, undermining their earlier work.

Style refers to the way words, sentences, and groups of sentences create tone and personality.

How is speech writing different than writing a paper?

Though they share many principles (ex: the preference for active voice verbs), they have different principles of style: people perceive style differently when listening than when reading.

The differences arise because the formats are different: written word and spoken word. For an analysis of the key differences between spoken and written language, we recommend the Oral Communication Center, Hamilton College .

This handout by Massachusetts Institute of Technology’s Undergraduate Research Opportunities Program contains fundamental public speaking tips. Luckily, it also contains an encompassing look at the basics of an eloquent oral style. Read the section titled “Writing for Speaking”; the list will be useful when creating sentences that sound better in oral rhetoric.

The following stylistic choices are particularly helpful with the spoken word :

  • Brevity. Be as brief as possible. This article by Judith Kilborn (The Write Place, St. Cloud State University) provides a few ways to reduce wordiness.
  • Prefer shorter sentences to longer ones. Long sentences are harder to follow.
  • First person pronouns are widely accepted in speeches.
  • Repetition helps the audience remember (ex: think of the repetition in King’s “I Have a Dream.” In a paper the audience can go back and reread; they can’t do that when listening to a speech, so repetition helps the audience connect ideas and follow the argument.
  • The audience doesn’t have a dictionary with them; use words that are more tuned for the vernacular ear.
  • Make sure you can pronounce every word you plan on using.
  • Use transitions or “ signposts ” to announce, signal, and recap. This allows the audience to know where you’re and what to expect.
  • Abstract : There are several possible outcomes that this decision can lead to.
  • Concrete : Our choice to intervene in the Middle East can lead to destabilized elections, political turmoil, and religious conflict.
  • Dry sentence : A family member was hit by an animal.
  • Descriptive sentence : Grandma got run over by a reindeer.
  • The use of contractions is generally preferred in public speaking; contractions are more conversational, which tends to be preferred in public speaking. Say these two sentences aloud and you’ll agree: “I do not think that is a good idea” or “I don’t think that’s a good idea.”
  • Parallelism and alliteration create rhythm in a speech; use them wisely.
  • Use inclusive language .

In the speech “Bridges should be beautiful,” Ian Firth demonstrates an awareness of oral style. For starters, his sentences are short and easy to follow. His opening is the perfect example, “The world needs bridges.”

Look at the following excerpt from Firth’s speech:

“In this case, this is in Peru. This is using grass which grows locally and is woven into ropes to build these bridges. And do you know they rebuild this every year? Because of course grass is not a durable material. So this bridge is unchanged since Inca times.”

This could’ve very well been two or three sentences in a written text, but Firth uses five short sentences. This makes him easy to follow. However, it’s not perfect. The phrase “In this case, this is in Peru,” could be shortened to simply “This is in Peru.”

At the same time, he limits the speech to three main points: bridges should be functional, safe, and beautiful. This ensures the audience won’t get lost.

Firth carefully chooses his words. He uses descriptive language to paint pictures for the audience: “Or sometimes up in the mountains, people would build these suspension bridges, often across some dizzy canyon, using a vine .” He also uses alliteration in an effective manner: “Or Robert Maillart's Salginatobel Bridge in the mountains in Switzerland —absolutely sublime .”

And he is able to easily pronounce the words he uses, even foreign phrases like “Pont Du Gard.”

Since Firth is an engineer who has designed bridges for years, this speech could’ve used highly technical language, but Firth used the vernacular to adapt to his more general audience. On occasion, when technical language was inevitable, Firth swiftly defined the technical terms.

In addition, Firth uses first person pronouns (“I firmly believe”). This makes him more conversational and personable.

This next example, a Boise State University commencement address, is more of a mixed result than Firth’s speech: it embodies both good and bad oral style.

Let’s start with what Tiara Thompson does well. In the beginning, she uses descriptive language that invokes images. The following are examples: “As my fingers fly over the keys,” and “spacebar still blinking.” She also uses parallelism, as you can clearly hear around 3:25.

However, the style can be improved (amongst other aspects of speech writing).

Towards the end of the speech, she uses more abstract language and seldomly gives examples. The speech would’ve been more effective if she kept using descriptive language and if more examples were used towards the end. Her language becomes vague and abstract when she thanks the teachers for their hard work, not recognizing any one of them individually. As an alternative, consider: how much more effective would it have been if she gave an example of a teacher working hard and afterhours to help her succeed on an assignment ? After that example, she could’ve generalized it to include all the teachers at her college.

In addition, the language she uses at the end of the speech gradually becomes more and more clichéd. For example, at 5:08, she says, “make this moment last” and “we are so fortunate to be where we are.” Clichés make imagery harder, as we mentioned in the oral style section.

Though not necessarily related to oral style, this speech focuses on the speaker more than the average commencement. If she focused on something else, her audience would’ve been able to connect with her more. (What works better: a political speech with a politician rambling on about themself or one where the politician identifies with problems larger than themselves, such as a Detroit congressperson sympathizing with the victims of the Flint water crisis?)

Module 4: Organizing and Outlining

Outlining your speech.

Most speakers and audience members would agree that an organized speech is both easier to present as well as more persuasive. Public speaking teachers especially believe in the power of organizing your speech, which is why they encourage (and often require) that you create an outline for your speech. Outlines , or textual arrangements of all the various elements of a speech, are a very common way of organizing a speech before it is delivered. Most extemporaneous speakers keep their outlines with them during the speech as a way to ensure that they do not leave out any important elements and to keep them on track. Writing an outline is also important to the speechwriting process since doing so forces the speakers to think about the main points and sub-points, the examples they wish to include, and the ways in which these elements correspond to one another. In short, the outline functions both as an organization tool and as a reference for delivering a speech.

Outline Types

There are two types of outlines. The first outline you will write is called the preparation outline . Also called a working, practice, or rough outline, the preparation outline is used to work through the various components of your speech in an inventive format. Stephen E. Lucas [1] put it simply: “The preparation outline is just what its name implies—an outline that helps you prepare the speech” (p. 248). When writing the preparation outline, you should focus on finalizing the purpose and thesis statements, logically ordering your main points, deciding where supporting material should be included, and refining the overall organizational pattern of your speech. As you write the preparation outline, you may find it necessary to rearrange your points or to add or subtract supporting material. You may also realize that some of your main points are sufficiently supported while others are lacking. The final draft of your preparation outline should include full sentences, making up a complete script of your entire speech. In most cases, however, the preparation outline is reserved for planning purposes only and is translated into a speaking outline before you deliver the speech.

A speaking outline is the outline you will prepare for use when delivering the speech. The speaking outline is much more succinct than the preparation outline and includes brief phrases or words that remind the speakers of the points they need to make, plus supporting material and signposts. [2] The words or phrases used on the speaking outline should briefly encapsulate all of the information needed to prompt the speaker to accurately deliver the speech. Although some cases call for reading a speech verbatim from the full-sentence outline, in most cases speakers will simply refer to their speaking outline for quick reminders and to ensure that they do not omit any important information. Because it uses just words or short phrases, and not full sentences, the speaking outline can easily be transferred to index cards that can be referenced during a speech.

Outline Structure

Because an outline is used to arrange all of the elements of your speech, it makes sense that the outline itself has an organizational hierarchy and a common format. Although there are a variety of outline styles, generally they follow the same pattern. Main ideas are preceded by Roman numerals (I, II, III, etc.). Sub-points are preceded by capital letters (A, B, C, etc.), then Arabic numerals (1, 2, 3, etc.), and finally lowercase letters (a, b, c, etc.). Each level of subordination is also differentiated from its predecessor by indenting a few spaces. Indenting makes it easy to find your main points, sub-points, and the supporting points and examples below them. Since there are three sections to your speech— introduction, body, and conclusion— your outline needs to include all of them. Each of these sections is titled and the main points start with Roman numeral I.

Title: Organizing Your Public Speech

Topic: Organizing public speeches

Specific Purpose Statement: To inform listeners about the various ways in which they can organize their public speeches.

Thesis Statement: A variety of organizational styles can used to organize public speeches.

Introduction Paragraph that gets the attention of the audience, establishes goodwill with the audience, states the purpose of the speech, and previews the speech and its structure.

Conclusion Paragraph that prepares the audience for the end of the speech, presents any final appeals, and summarizes and wraps up the speech.

Bibliography

In addition to these formatting suggestions, there are some additional elements that should be included at the beginning of your outline: the title, topic, specific purpose statement, and thesis statement. These elements are helpful to you, the speechwriter, since they remind you what, specifically, you are trying to accomplish in your speech. They are also helpful to anyone reading and assessing your outline since knowing what you want to accomplish will determine how they perceive the elements included in your outline. Additionally, you should write out the transitional statements that you will use to alert audiences that you are moving from one point to another. These are included in parentheses between main points. At the end of the outlines, you should include bibliographic information for any outside resources you mention during the speech. These should be cited using whatever citations style your professor requires. The textbox entitled “Outline Formatting Guide” provides an example of the appropriate outline format.

Preparation Outline

This chapter contains the preparation and speaking outlines for a short speech the author of this chapter gave about how small organizations can work on issues related to climate change (see appendices). In this example, the title, specific purpose, thesis, and list of visual aids precedes the speech. Depending on your instructor’s requirements, you may need to include these details plus additional information. It is also a good idea to keep these details at the top of your document as you write the speech since they will help keep you on track to developing an organized speech that is in line with your specific purpose and helps prove your thesis. At the end of the chapter, in Appendix A, you can find a full length example of a Preparation (Full Sentence) Outline.

Speaking Outline

In Appendix B, the Preparation Outline is condensed into just a few short key words or phrases that will remind speakers to include all of their main points and supporting information. The introduction and conclusion are not included since they will simply be inserted from the Preparation Outline. It is easy to forget your catchy attention-getter or final thoughts you have prepared for your audience, so it is best to include the full sentence versions even in your speaking outline.

Using the Speaking Outline

Once you have prepared the outline and are almost ready to give your speech, you should decide how you want to format your outline for presentation. Many speakers like to carry a stack of papers with them when they speak, but others are more comfortable with a smaller stack of index cards with the outline copied onto them. Moreover, speaking instructors often have requirements for how you should format the speaking outline. Whether you decide to use index cards or the printed outline, here are a few tips. First, write large enough so that you do not have to bring the cards or pages close to your eyes to read them. Second, make sure you have the cards/pages in the correct order and bound together in some way so that they do not get out of order. Third, just in case the cards/pages do get out of order (this happens too often!), be sure that you number each in the top right corner so you can quickly and easily get things organized. Fourth, try not to fiddle with the cards/pages when you are speaking. It is best to lay them down if you have a podium or table in front of you. If not, practice reading from them in front of a mirror. You should be able to look down quickly, read the text, and then return to your gaze to the audience.

Chapter 1: The Speech Communication Process

The Speech Communication Process

  • Listener(s)

Interference

As you might imagine, the speaker is the crucial first element within the speech communication process. Without a speaker, there is no process.  The  speaker  is simply the person who is delivering, or presenting, the speech.  A speaker might be someone who is training employees in your workplace. Your professor is another example of a public speaker as s/he gives a lecture. Even a stand-up comedian can be considered a public speaker. After all, each of these people is presenting an oral message to an audience in a public setting. Most speakers, however, would agree that the listener is one of the primary reasons that they speak.

The listener is just as important as the speaker; neither one is effective without the other.  The  listener  is the person or persons who have assembled to hear the oral message.  Some texts might even call several listeners an “audience. ” The listener generally forms an opinion as to the effectiveness of the speaker and the validity of the speaker’s message based on what they see and hear during the presentation. The listener’s job sometimes includes critiquing, or evaluating, the speaker’s style and message. You might be asked to critique your classmates as they speak or to complete an evaluation of a public speaker in another setting. That makes the job of the listener extremely important. Providing constructive feedback to speakers often helps the speaker improve her/his speech tremendously.

Another crucial element in the speech process is the message.  The  message  is what the speaker is discussing or the ideas that s/he is presenting to you as s/he covers a particular topic.  The important chapter concepts presented by your professor become the message during a lecture. The commands and steps you need to use, the new software at work, are the message of the trainer as s/he presents the information to your department. The message might be lengthy, such as the President’s State of the Union address, or fairly brief, as in a five-minute presentation given in class.

The  channel  is the means by which the message is sent or transmitted.  Different channels are used to deliver the message, depending on the communication type or context. For instance, in mass communication, the channel utilized might be a television or radio broadcast. The use of a cell phone is an example of a channel that you might use to send a friend a message in interpersonal communication. However, the channel typically used within public speaking is the speaker’s voice, or more specifically, the sound waves used to carry the voice to those listening. You could watch a prerecorded speech or one accessible on YouTube, and you might now say the channel is the television or your computer. This is partially true. However, the speech would still have no value if the speaker’s voice was not present, so in reality, the channel is now a combination of the two -the speaker’s voice broadcast through an electronic source.

The context is a bit more complicated than the other elements we have discussed so far. The context is more than one specific component. For example, when you give a speech in your classroom, the classroom, or  the physical location of your speech, is part of the context  . That’s probably the easiest part of context to grasp.

But you should also consider that the  people in your audience expect you to behave in a certain manner, depending on the physical location or the occasion of the presentation  . If you gave a toast at a wedding, the audience wouldn’t be surprised if you told a funny story about the couple or used informal gestures such as a high-five or a slap on the groom’s back. That would be acceptable within the expectations of your audience, given the occasion. However, what if the reason for your speech was the presentation of a eulogy at a loved one’s funeral? Would the audience still find a high-five or humor as acceptable in that setting? Probably not. So the expectations of your audience must be factored into context as well.

The cultural rules -often unwritten and sometimes never formally communicated to us -are also a part of the context. Depending on your culture, you would probably agree that there are some “rules ” typically adhered to by those attending a funeral. In some cultures, mourners wear dark colors and are somber and quiet. In other cultures, grieving out loud or beating one’s chest to show extreme grief is traditional. Therefore,  the rules from our culture  -no matter what they are -play a part in the context as well.

Every speaker hopes that her/his speech is clearly understood by the audience. However, there are times when some obstacle gets in the way of the message and interferes with the listener’s ability to hear what’s being said.  This is  interference  , or you might have heard it referred to as “noise. ”  Every speaker must prepare and present with the assumption that interference is likely to be present in the speaking environment.

Interference can be mental, physical, or physiological.  Mental interference  occurs when the listener is not fully focused on what s/he is hearing due to her/his own thoughts.  If you’ve ever caught yourself daydreaming in class during a lecture, you’re experiencing mental interference. Your own thoughts are getting in the way of the message.

A second form of interference is  physical interference  . This is noise in the literal sense -someone coughing behind you during a speech or the sound of a mower outside the classroom window. You may be unable to hear the speaker because of the surrounding environmental noises.

The last form of interference is  physiological  . This type of interference occurs when your body is responsible for the blocked signals. A deaf person, for example, has the truest form of physiological interference; s/he may have varying degrees of difficulty hearing the message. If you’ve ever been in a room that was too cold or too hot and found yourself not paying attention, you’re experiencing physiological interference. Your bodily discomfort distracts from what is happening around you.

The final component within the speech process is feedback. While some might assume that the speaker is the only one who sends a message during a speech, the reality is that the  listeners in the audience are sending a message of their own, called  feedback  .  Often this is how the speaker knows if s/he is sending an effective message. Occasionally the feedback from listeners comes in verbal form – questions from the audience or an angry response from a listener about a key point presented. However, in general, feedback during a presentation is typically non-verbal -a student nodding her/his head in agreement or a confused look from an audience member. An observant speaker will scan the audience for these forms of feedback, but keep in mind that non-verbal feedback is often more difficult to spot and to decipher. For example, is a yawn a sign of boredom, or is it simply a tired audience member?

Generally, all of the above elements are present during a speech. However, you might wonder what the process would look like if we used a diagram to illustrate it. Initially, some students think of public speaking as a linear process -the speaker sending a message to the listener -a simple, straight line. But if you’ll think about the components we’ve just covered, you begin to see that a straight line cannot adequately represent the process, when we add listener feedback into the process. The listener is sending her/his own message back to the speaker, so perhaps the process might better be represented as circular. Add in some interference and place the example in context, and you have a more complete idea of the speech process.

Learning outcomes.

By the end of this section, you will be able to:

  • Implement various technologies effectively to address an audience, matching the capacities of each to the rhetorical situation.
  • Apply conventions of speech delivery, such as voice control, gestures, and posture.
  • Identify and show awareness of cultural considerations.

Think of a speech you have seen or heard, either in person, on television, or online. Was the speech delivered well, or was it poorly executed? What aspects of the performance make you say that? Both good and poor delivery of a speech can affect the audience’s opinion of the speaker and the topic. Poor delivery may be so distracting that even the message of a well-organized script with strong information is lost to the audience.

Speaking Genres: Spoken Word, Pulpit, YouTube, Podcast, Social Media

The world today offers many new (and old) delivery methods for script writing. While the traditional presidential address or commencement speech on a stage in front of a crowd of people is unlikely to disappear, newer script delivery methods are now available, including many that involve technology. From YouTube , which allows anyone to upload videos, to podcasts, which provide a platform for anyone, celebrities and noncelebrities alike, to produce a radio-like program, it seems that people are finding new ways to use technology to enhance communication. Free resources such as YouTube Studio and the extension TubeBuddy can be a good starting place to learn to create these types of media.

Voice Control

Whether the method is old or new, delivering communication in the speaking genre relies not only on words but also on the way those words are delivered. Remember that voice and tone are important in establishing a bond with your audience, helping them feel connected to your message, creating engagement, and facilitating comprehension. Vocal delivery includes these aspects of speech:

  • Rate of speech refers to how fast or slow you speak. You must speak slowly enough to be understood but not so slowly that you sound unnatural and bore your audience. In addition, you can vary your rate, speeding up or slowing down to increase tension, emphasize a point, or create a dramatic effect.
  • Volume refers to how loudly or softly you speak. As with rate, you do not want to be too loud or too soft. Too soft, and your speech will be difficult or impossible to hear, even with amplification; too loud, and it will be distracting or even painful for the audience. Ideally, you should project your voice, speaking from the diaphragm, according to the size and location of the audience and the acoustics of the room. You can also use volume for effect; you might use a softer voice to describe a tender moment between mother and child or a louder voice to emphatically discuss an injustice.
  • Pitch refers to how high or low a speaker’s voice is to listeners. A person’s vocal pitch is unique to that person, and unlike the control a speaker has over rate and volume, some physical limitations exist on the extent to which individuals can vary pitch. Although men generally have lower-pitched voices than women, speakers can vary their pitch for emphasis. For example, you probably raise your pitch naturally at the end of a question. Changing pitch can also communicate enthusiasm or indicate transition or closure.
  • Articulation refers to how clearly a person produces sounds. Clarity of voice is important in speech; it determines how well your audience understands what you are saying. Poor articulation can hamper the effect of your script and even cause your audience to feel disconnected from both you and your message. In general, articulation during a presentation before an audience tends to be more pronounced and dramatic than everyday communication with individuals or small groups. When presenting a script, avoid slurring and mumbling. While these may be acceptable in informal communication, in presented speech they can obscure your message.
  • Fluency refers to the flow of speech. Speaking with fluency is similar to reading with fluency. It’s not about how fast you can speak, but how fluid and meaningful your speech is. While inserting pauses for dramatic effect is perfectly acceptable, these are noticeably different from awkward pauses that result from forgetting a point, losing your place, or becoming distracted. Practicing your speech can greatly reduce fluency issues. A word on verbal fillers , those pesky words or sounds used to fill a gap or fluency glitch: utterances such as um , ah , and like detract from the fluency of your speech, distract the audience from your point, and can even reduce your credibility. Again, practice can help reduce their occurrence, and self-awareness can help you speak with more fluency.

Gestures and Expressions

Beyond vocal delivery, consider also physical delivery variables such as gestures and facial expressions . While not all speech affords audiences the ability to see the speaker, in-person, online, and other forms of speech do. Gestures and facial expressions can both add to and detract from effective script delivery, as they can help demonstrate emotion and enthusiasm for the topic. Both have the ability to emphasize points, enhance tone, and engage audiences.

Eye contact is another form of nonverbal, physical communication that builds community, communicates comfort, and establishes credibility. Eye contact also can help hold an audience’s attention during a speech. It is advisable to begin your speech by establishing eye contact with the audience. One idea is to memorize your opening and closing statements to allow you to maintain consistent eye contact during these important sections of the script and strengthen your connection with the audience.

Although natural engagement through gestures, facial expressions, and eye contact can help an audience relate to a presenter and even help establish community and trust, these actions also can distract audiences from the content of the script if not used purposefully. In general, as with most delivery elements, variation and a happy medium between “too much” and “too little” are key to an effective presentation. Some presenters naturally have more expressive faces, but all people can learn to control and use facial expressions and gestures consciously to become more effective speakers. Practicing your speech in front of a mirror will allow you to monitor, plan, and practice these aspects of physical delivery.

Posture and Movement

Other physical delivery considerations include posture and movement. Posture is the position of the body. If you have ever been pestered to “stand up straight,” you were being instructed on your posture. The most important consideration for posture during a speech is that you look relaxed and natural. You don’t want to be slumped over and leaning on the podium or lectern, but you also don’t want a stiff, unnatural posture that makes you look stilted or uncomfortable. In many speeches, the speaker’s posture is upright as they stand behind a podium or at a microphone, but this is not always the case. Less formal occasions and audiences may call for movement of the whole body. If this informality fits your speech, you will need to balance movement with the other delivery variables. This kind of balance can be challenging. You won’t want to wander aimlessly around the stage or pace back and forth on the same path. Nor will you want to shuffle your feet, rock, or shift your weight back and forth. Instead, as with every other aspect of delivery, you will want your movements to be purposeful, with the intention of connecting with or influencing your audience. Time your movements to occur at key points or transitions in the script.

Cultural Considerations

Don’t forget to reflect on cultural considerations that relate to your topic and/or audience. Cultural awareness is important in any aspect of writing, but it can have an immediate impact on a speech, as the audience will react to your words, gestures, vocal techniques, and topic in real time. Elements that speakers don’t always think about—including gestures, glances, and changes in tone and inflection—can vary in effectiveness and even politeness in many cultures. Consideration for cultural cues may include the following:

  • Paralanguage : voiced cultural considerations, including tone, language, and even accent.
  • Kinesics : body movements and gestures that may include facial expressions. Often part of a person’s subconscious, kinesics can be interpreted in various ways by members of different cultures. Body language can include posture, facial expressions (smiling or frowning), and even displays of affection.
  • Proxemics : interpersonal space that regulates intimacy. Proxemics might indicate how close to an audience a speaker is located, whether the speaker moves around, and even how the speaker greets the audience.
  • Chronemics : use of time. Chronemics refers to the duration of a script.
  • Appearance : clothing and physical appearance. The presentation of appearance is a subtle form of communication that can indicate the speaker’s identity and can be specific to cultures.

Stage Directions

You can think proactively about ways to enhance the delivery of your script, including vocal techniques, body awareness, and cultural considerations. Within the draft of your script, create stage directions . An integral part of performances such as plays and films, stage directions can be as simple as writing in a pause for dramatic effect or as complicated as describing where and how to walk, what facial expressions to make, or how to react to audience feedback.

Look at this example from the beginning of the student sample. Stage directions are enclosed in parentheses and bolded.

Now it’s your turn. Using the principle illustrated above, create stage directions for your script. Then, practice using them by presenting your script to a peer reviewer, such as a friend, family member, or classmate. Also consider recording yourself practicing your script. Listen to the recording to evaluate it for delivery, fluency, and vocal fillers. Remember that writing is recursive: you can make changes based on what works and what doesn’t after you implement your stage directions. You can even ask your audience for feedback to improve your delivery.

Podcast Publication

If possible, work with your instructor and classmates to put together a single podcast or a series of podcasts according to the subject areas of the presentations. The purpose of these podcasts should be to invite and encourage other students to get involved in important causes. Work with relevant student organizations on campus to produce and publicize the podcasts for maximum impact. There are many free resources for creating podcasts, including Apple’s GarageBand and Audacity .
