This will help you understand whether the people in your area require this service.  For instance, if you live in an area where people mostly get their drinking water from a river or community well, they might not be interested in your product.  So, ensure that you analyze the local market to see if there’s demand for water refilling services. Consider factors such as demographics, population density, and consumer preferences (Do they prefer tap water or your purified water). Additionally, conduct a competitor analysis to understand the existing market players and their strategies. If many other people are doing the same business, you might struggle, especially if you do the same thing they do.  You should also consider where you will be getting your water. Is there a reliable source or local supplier? If you have to spend a lot to transport the water, you might not make any profits.

I don’t always recommend writing a comprehensive business plan for a small business that doesn’t require outside funding or partners. If you are going to start a small water refilling operation, you unlikely need a thick business plan.  However, you still need a roadmap to guide you while starting and running your business. So, depending on the scale of your water refilling station, you can either write a lean or traditional business plan.  Either way, a business plan is essential for organizing your ideas and attracting potential investors. Ideally, you should do this during the research stage. But what kind of location should you be looking for? I recommend areas with high foot traffic and reasonable demand for clean drinking water.  Consider proximity to residential areas, offices, schools, and other potential customer segments.  Also, ensure that you can find a good business premise in that location with affordable rent. The location should also have a good source of water. The type of equipment you will need for your water refilling business in Kenya will vary depending on how you want to approach the business. You can either buy already purified water and sell it to customers or you can purify the water yourself.  So, if you are going to do the purification yourself, you will need a purifier. Otherwise, you can do without it. However, you will probably need to buy a water venting ATM, whether you are purifying the water or not.  You will also need storage tanks, rinsing jets, packaging benches, and a refilling station with tabs. I have included a list of important equipment you need later in the guide, so make sure to check that out. 

If you decide that you want to purify the water yourself, you will need to buy a water-purifying machine. However, this is a pretty expensive machine, so if you don’t have enough startup capital, I recommend working with a supplier of already purified water.  You can buy the machine later when the business grows.  Usually, these machines use different water purification methods such as Reverse Osmosis (RO) and UV filtration. Whichever method you use, you will need to design a step-by-step water treatment process that includes filtration, disinfection, and mineral enhancement.  Also, don’t forget to implement quality control measures to ensure the water consistently meets safety standards and is free from contaminants. If you want customers to identify with your business, you might need to do some branding. Yes, some customers might bring their own bottles to avoid the additional cost of buying another bottle. However, in most cases, they probably won’t.  So, make sure to invest in high-quality packaging materials such as bottles, caps, and labels that comply with industry standards. Design an attractive and informative label that clearly communicates the product’s features and safety certifications.  This will help you develop a distinctive brand identity and establish a strong brand presence through consistent branding strategies.

Like any business, customers are not going to come running to your water refilling station as soon as you set it up. Some people might not even know what you do. The goal is to offer competitive prices without compromising on water quality or profitability.  As your business grows and you get the hang of it, you can tweak your prices based on how it is performing. However, plastic tanks may affect the taste or introduce odors to the water, especially when stored for extended periods. Additionally, long-term contact with plastic can lead to the release of oily substances or the growth of algae, potentially compromising water quality.

Rinsing Jet: Ensuring Clean Refillable Bottles

Maintaining cleanliness and hygiene is essential for customer satisfaction and safety. A rinsing jet is a vital tool to ensure that refillable bottles brought by customers are thoroughly cleaned before the refill. 

This process removes any impurities or odors that may have developed, ensuring a fresh and pleasant experience for your customers.

Filling Station with Multiple Taps: Efficient Retail Operations

If your business model involves supplying water to retail outlets, a well-equipped filling station with multiple taps is indispensable. This facility allows you to fill numerous bottles simultaneously, streamlining the packaging process.

To optimize the packaging procedures, you need to invest in packaging benches especially if you are targeting retail operations. These benches serve as dedicated stations for tasks such as capping, sealing, and applying labels to the bottles. 

They can also function as temporary holding areas before dispatching or transferring the bottles to your storage facility. For this purpose, I recommend stainless steel packaging benches for their durability and cleanliness.

Water refilling business is one of the most profitable businesses in Kenya. The cost of starting the business ranges between Ksh 600,000 and Ksh 1.5 million. Most of the money will go into acquiring licenses, rent,buying delivery motorbikes and water purification machines.

Water refilling business is most profitable in Nairobi, Mombasa, Kisumu, Eastern, Nakuru, North Eastern and all other areas where rain is not sufficient.

Make sure you have Ksh 100,000 for the licenses only.

Identify a suitable location for setting up the business. It should be spacious and easily accessible. Rent for such business vary depending on the town you wish to set it up. In Nairobi, you will need Ksh50, 000 to Ksh 150,000 per month. Together with good will and other charges, your rent will be Ksh 200,000 for the start. Licences and Requirements for Starting Water Refill Business in Kenya

Over the years, the water refilling business has grown to become one of the most popular ventures in Kenya, especially in urban areas.

With the business bringing modest returns to investors, many Kenyans have been rushing to set up water-refilling plants.

This prompted the Kenya Bureau of Standards (KEBS) to prepare a detailed list of requirements and conditions entrepreneurs must fulfill before dipping their feet into the business.

Kenyans.co.ke   compiled a list of permits, licences and other required documents you should be aware of before starting a water bottling plant.

Licences/Permits

KEBS listed three mandatory certificates for Kenyans aiming to start a water refilling business. It should be noted that individual counties where the business is situated can demand an extra set of permits.

Before setting up your plant, you are required to apply for a public health certificate. This is provided by approved government facilities under the Ministry of Health.

You will also be required to provide medical certificates for all your staff. The service is also available in government health facilities at a cost of Ksh700.

If you are not using tap water for your plant, you will need an abstraction permit provided by Water Resource Management Authority (WARMA). 

Other requirements and permits

You will need to submit a sample of your product to KEBS for testing to determine if it is safe for drinking. Thereafter, you will be mandated to demonstrate the production of a quality product by maintaining quality records as per the signed scheme of supervision and control.

After being given the KEBS mark of quality, the agency demansd that, “No water bottling company located in a residential set-up shall be granted a permit to use the standardisation mark .”

“Residential setups include buildings that possess residences on the upper floors and business premises on the ground level,” KEBS clarifies. 

In an effort to make sure a trader consistently provides clean drinking water; KEBS asks for the establishment of clear mechanisms for dealing with customer complaints and proof of plant cleaning and maintenance.

KEBS also issued clear standards on how the building hosting the business should be set up. The building should contain stainless steel tables for production, an insectocuter and a first aid kit, a foot bath for the production area, and a hand washing facility with soap, sanitizer and a drying facility. 

Additionally, the plant should have; a secured raw water storage tank, a window with screens to prevent the entry of flies, a fluorescent bulb for foreign matter inspection, protective clothing for staff and waterproof walls and floor (tiled).

The types of contaminants found in their source water (what problems are there with the quality of the water?). 

To determine the water quality, a water analysis report from a water laboratory is required. This is what gives your water purifier designer guidance in designing the required machine. Your water purifier machine technician will require a one-litre water sample before giving you a quotation. There are exceptional scenarios where a customer is using water from a purifying company such as Purefresh, Leofresh or Spash etc where no water analysis or sample is needed. In most cases, such equipment will require few or single post filters and a water sterilizer and hence they are the cheapest water machines. 

The water treatment capacity required to meet their projected sales volumes (How much clean water do you need to produce in order to meet your sales goals)?

There are capacities ranging from 250 LPH (Litres per hour), 500 LPH, 1000 LPH, 2000 LPH etc.
