Although it's not perfect, the Windows Speech Recognition program can help you create professional business documents by speaking into a microphone instead of typing on your computer's keyboard. After training the software to recognize your speech patterns, put your voice to work by dictating text into budget reports, sales presentations and other business documents that you normally create by typing into Microsoft Word 2007. You don’t have to download or install the Windows Speech Recognition program because it is a native program that is ready to use once you know how to launch it.

Click the Windows Start button, then "Control Panel" and then click "Ease of Access."

Click "Speech Recognition" to open the Speech Recognition control panel. Click "Set up Microphone" to launch a wizard that helps you configure your microphone to work with Windows Speech Recognition.

Connect your microphone to your computer and follow the steps that the wizard provides. It will ask you to perform a few tasks and inform you the microphone is ready when you complete those tasks. The Wizard also returns you to the Speech Recognition control panel that contains other links you can click.

Click "Train Your Computer to Better Understand You" and follow the instructions that the training wizard provides. This wizard asks you to read text that it displays as the program learns to recognize your voice. The wizard also returns you to the Speech Recognition control panel when you complete the training.

Click "Start Speech Recognition" to launch the application. A small window containing a microphone icon opens at the top of your screen. The word "Off" appears next to the icon.

Click the icon to switch the application into listening mode and launch Word 2007. Open one of your documents or create a new one and place your cursor where you would like your dictated text to appear. Speak clearly into your microphone; as you talk, the Windows Speech Recognition program inserts your words into the document.

You can even move your cursor to the beginning of a sentence by saying, "Go to start of sentence." Just like the best speech to text apps that make life easier for us when we're using our phones, Microsoft's offering is ideal for those of us who spend a lot of time using Word and don't want to wear out our fingers or the keyboard with all that typing. While speech to text in Microsoft Word used to be prone to errors which you'd then have to go back and correct, the technology has come a long way in recent years and is now amongst the best text-to-speech software .

Regardless of whether you have the best computer or the best Windows laptop , speech to text in Microsoft Word is easy to access and a breeze to use. From connecting your microphone to inserting punctuation, you'll find everything you need to know right here in this guide. Let's take a look...

How to use speech to text in Microsoft Word: Preparation

The most important thing to check is whether you have a valid Microsoft 365 subscription, as voice typing is only available to paying customers. If you’re reading this article, it’s likely your business already has a Microsoft 365 enterprise subscription. If you don’t, however, find out more about Microsoft 365 for business via this link . 

The second thing you’ll need before you start voice typing is a stable internet connection. This is because Microsoft Word’s dictation software processes your speech on external servers. These huge servers and lighting-fast processors use vast amounts of speech data to transcribe your text. In fact, they make use of advanced neural networks and deep learning technology, which enables the software to learn about human speech and continuously improve its accuracy. 

These two technologies are the key reason why voice typing technology has improved so much in recent years, and why you should be happy that Microsoft dictation software requires an internet connection.

Step 1: Open Microsoft Word

Simple but crucial. Open the Microsoft Word application on your device and create a new, blank document. We named our test document “How to use speech to text in Microsoft Word - Test” and saved it to the desktop so we could easily find it later.

Step 2: Click on the Dictate button

Once you’ve created a blank document, you’ll see a Dictate button and drop-down menu on the top right-hand corner of the Home menu. It has a microphone symbol above it. From here, open the drop-down menu and double-check that the language is set to English.

One of the best parts of Microsoft Word’s speech to text software is its support for multiple languages. At the time of writing, nine languages were supported, with several others listed as preview languages. Preview languages have lower accuracy and limited punctuation support.

Step 3: Allow Microsoft Word access to the Microphone

If you haven’t used Microsoft Word’s speech to text software before, you’ll need to grant the application access to your microphone. This can be done at the click of a button when prompted.

It’s worth considering using an external microphone for your dictation, particularly if you plan on regularly using voice to text software within your organization. While built-in microphones will suffice for most general purposes, an external microphone can improve accuracy due to higher quality components and optimized placement of the microphone itself.

Step 4: Begin voice typing

Now we get to the fun stuff. After completing all of the above steps, click once again on the dictate button. The blue symbol will change to white, and a red recording symbol will appear. This means Microsoft Word has begun listening for your voice. If you have your sound turned up, a chime will also indicate that transcription has started. 

Using voice typing is as simple as saying aloud the words you would like Microsoft to transcribe. It might seem a little strange at first, but you’ll soon develop a bit of flow, and everyone finds their strategies and style for getting the most out of the software. 

These four steps alone will allow you to begin transcribing your voice to text. However, if you want to elevate your speech to text software skills, our fifth step is for you.

Step 5: Incorporate punctuation commands

Microsoft Word’s speech to text software goes well beyond simply converting spoken words to text. With the introduction and improvement of artificial neural networks, Microsoft’s voice typing technology listens not only to single words but to the phrase as a whole. This has enabled the company to introduce an extensive list of voice commands that allow you to insert punctuation marks and other formatting effects while speaking. 

We can’t mention all of the punctuation commands here, but we’ll name some of the most useful. Saying the command “period” will insert a period, while the command “comma” will insert, unsurprisingly, a comma. The same rule applies for exclamation marks, colons, and quotations. If you’d like to finish a paragraph and leave a line break, you can say the command “new line.” 

These tools are easy to use. In our testing, the software was consistently accurate in discerning words versus punctuation commands.

Microsoft’s speech to text software is powerful. Having tested most of the major platforms, we can say that Microsoft offers arguably the best product when balancing cost versus performance. This is because the software is built directly into Microsoft 365, which many businesses already use. How to Have Speech to Text in Office 2007

Speech recognition software allows you to speak commands and create documents on your computer by talking into an attached microphone. With Windows Speech Recognition enabled on your computer, you can use Microsoft Office 2007 to record your voice and translate your words into text. Windows Speech Recognition is a built-in feature of Windows Vista and Windows 7. Using Windows Speech Recognition in Microsoft Office 2007 requires some practice, but once the computer recognizes your voice, creating a document is as simple as talking to yourself.

Using Speech Recognition

Open Windows Speech Recognition. Select “All Programs” from the “Start” menu. Select “Accessories” and “Ease of Access” from the sub-menu. Click Windows Speech Recognition.

Open the Microsoft Office 2007 application you want to use and create a new document. Place the cursor in the new document.

Speak into your microphone. The words you say will appear on the screen as you speak.

Say “period” when you reach the end of a sentence. Say "paragraph" when you want to start a new paragraph.

Correcting Mistakes

Say “correct that” to highlight the last word or phrase you said.

Speak the correct word or words slowly and clearly into the microphone.

Continue dictating your document to the computer.

  • Use the Speech Recognition Training included with Windows to improve the flexibility of the Speech Recognition software. The more you use the training utility, the better speech recognition will work.
  • To insert a punctuation mark such as a comma, semicolon, or colon, say the name of the punctuation mark when you want to include it.
  • Use the “literal” command followed by a command word to insert the command word into your document. For example, say “literal period” to insert the word “period” into your text.
  • To fix a specific error, say “correct” followed by the incorrect word. Speech Recognition will highlight the word and allow you to correct it.
  • If you use a version of Windows other than Windows Vista or Windows 7, you will need to install an older version of Microsft Office to use speech to text features. Office 2007 requires Windows Vista or Windows 7 to utilize speech to text functionality.

How to enable Speech to Text in Microsoft Word 2007 ? I have found guides for text to speech but I am rather interested into speech to text.

It looks like speech recognition was removed from Office 2007.

Speech recognition features are not available in the 2007 Microsoft Office system programs. To use speech recognition features, run Windows Speech Recognition in Windows Vista. If your operating system is Microsoft Windows XP, you must run a previous version of a Microsoft Office system program to use speech recognition features.

Speech To Test is a whole new ballgame, and is as not easy to handle as Text To Speech.

You will probably need a third party software, like " Dragon NaturallySpeaking ", which can only handle Dutch, English, French, German, Italian, and Spanish.

There are also other (some free) software which claims to do the job (only English, though), but I was not able to find a an alternative to "Dragon" that really worked.

And if you want to convert speech which is in another language than those above, you are (like me!) basicly out of luck...

Windows Vista and Windows 7 have built-in speech recognition technology, that can be used to input text into documents...

To start the program; just type "Windows Speech Recognition" into your search box on the Start menu, and hit 'Enter'. Have fun! :)

[SOLVED] Voice recognition in Office 2007 and XP ???

I have Office 2007 Standard and when I had Office 2003 it had voice recognition ability..I have been told it is now a Windows file you can add. Anyone got a clue??Thanks..:4-dontkno

Speech recognition is installed in all Office 2007 programs when you either use the feature in Microsoft Word 2007 for the first time (if you had opted for a standard/default installation at the time of your Office install), or by doing a custom installation. As I wrote on my post #4 above, to activate the language bar you have to right click on the task bar and select Toolbars > Language bar , or go to Control panel > Regional and Language Options > Languages > Details > hit the Language Bar button under the Preferences section > check the settings that are appropriate for you. Make sure you have BOTH "Show the Language bar on the desktop" AND "Show additional Language bar icons in the taskbar" boxes CHECKED. Moreover, in the Advanced tab, make sure the "Turn off advanced text services" box is NOT checked.

I followed your instruction perfectly and did it both ways...obviously, I don't have the necessary file or whatever I need....When I click on show language bar I get only what I decribed earlier...there is nothing at the bottom of Word screen that has the EN box you show...

Well, actually that EN is not part of Word or any program, but simply the Language bar showing on my taskbar; this goes to EL when I switch my input language to Greek, and it becomes RU when I switch to Russian. If you drag that box that says "English" from the top of your desktop on your taskbar, you are to see the very same thing.

Have you attempted re-installing this part of Office 2003 (i.e. insert the Office 2003 setup disk and under Office tools select Language settings tool to run from My Computer - this should repair it since it is already installed) and see if that does the desired trick? Come to think about it, Office 2003 should be appearing in 'Add or Remove Programs'; if not, then this feature is not installed and you will have to follow the second method mentioned in my post #4 above. However, if that's the case, I'd advice uninstalling Office 2007 first, and then installing this Office 2003 feature, followed by Office 2007 in the end.

Microsoft Word: A simple solution to a new issue with Word's speech recognition tool

Q. I have used Microsoft Word's speech recognition tool for years, and I've been very pleased with how well it works. However, I've recently upgraded to a new computer and a new edition of Word, and now my speech recognition tool records voice into a dialog box rather than onto my Word document. This dialog box doesn't hold many words, and I must verbally repeat the command "Insert" frequently to send the recorded text to the Word document, which interrupts my dictation efforts. This seems like a step backward. Is there any solution?

A. By default, later versions of Microsoft's speech recognition tool record your dictation into a dialog box called the dictation scratchpad (pictured below), which, I agree, is annoying.

You can solve this issue easily by right - clicking the Speech Recognition tool, and then selecting Options and unchecking the menu item labeled Enable dictation scratchpad , as pictured below. Thereafter, the speech recognition tool will skip the dialog box and translate your spoken words directly onto your Word document.

For those who have never tried speech recognition, this tool has been included in either Office or Windows for more than 20 years. To use this tool, navigate to your Control Panel window (for example, in Windows 10, right - click the Start button and select Control Panel ), and select Speech Recognition . Select the Set up microphone option and follow the instructions to ensure your microphone is set up properly. Next, select the Train your computer to better understand you option and read text to your computer so it can start to learn your voice patterns. Generally, I find it takes about 10 minutes of reading to a new computer (called voice training) for me to obtain fairly good speech recognition results, and 90 minutes of training to obtain very good speech recognition results. Without any voice training, the speech recognition tool does not typically provide satisfactory results. You should also be aware that the quality of your microphone and the acoustics in your office/workspace can affect the ability for speech recognition to deliver acceptable results. Microsoft recommends you use a headset with a boom microphone for the best speech recognition results. First - timers should also select the Take Speech Tutorial option to view a short video on using the tool. Finally, select the Start Speech Recognition option to turn the tool on, navigate to Word (or whatever program you want to use), click the microphone to turn on Listening , and then start talking.

While speech recognition will work well almost instantly, it takes a little time to get used to using it. Your brain is conditioned to using keyboard to transfer your thought to the computer, and talking out loud may seem unnatural at first. With a little practice, most users eventually find speech recognition to be a fast and more preferred input method compared to typing on a keyboard in many situations.

Word 2007 - speech recognition (how to speak Cantonese to write traditional Chinese)

Thanks for posting in Microsoft Community. I’m sorry to hear that you’re having problems in using the Speech recognition   for Chinese language. We can help you with this.

You can only use Speech Recognition in a different language if a MUI language pack is installed for the supported languages.
