How do i apply for an extension on an assessment (e.g. assignment).

An extension of time applies to assessment items undertaken and submitted outside of scheduled class time (e.g. an assignment).

If you are applying for an assignment extension, your application must be submitted using the online application form by the due date.

For individual assessment items, supporting documentation is not required for extensions up to and including three calendar days, unless you are enrolled in a course through Open Universities Australia (OUA)*. For group assessment, all OUA assessment and extensions greater than three calendar days your application must include appropriate documentation to support the grounds on which you are requesting your extension.

Students registered with Student Disability and Accessibility can apply for an extension on disability grounds for up to and including 10 calendar days without the requirement to provide supporting documentation.

* For students not registered with Student Disability and Accessibility, accumulation of more than three approved extensions for individual assignments of three or less calendar days will trigger the supporting documentation requirement for the remainder of the trimester, after which the count will be reset.

You can make a request for an extension of time on one of the following grounds:

  • bereavement
  • personal safety grounds
  • other personal, professional or exceptional circumstances (e.g. family or personal circumstances, employment-related circumstances, unavoidable commitments).
  • Navigate to the Assessment Application Landing page  in myGriffith.
  • Make the appropriate selection for your circumstances.
  • Complete the application form.
  • If required, attach appropriate documentary evidence to support your application. Supporting documentation may include a medical certificate, statutory declaration, bereavement notice, letter from employer or a copy of an accident report. You can find other forms of appropriate supporting documentation at Assessment Applications .
  • Track your application after submitting.

Important : If you require a further extension on an already approved Assignment Extension Application, you can now do this via the online application. Further documentation to support an additional extension is required and you cannot exceed the maximum allowable extension period for the reason selected.

All you need to know about assignment extensions, deferred assessment, special consideration and alternate exam sittings

Modified assessment arrangements may be provided to a student in the event that their capacity to demonstrate their true level of competence in an assessment item was, is, or will be significantly impaired as a result of medical, compassionate or extenuating circumstances.

Assignment extension

You may apply for an extension of time for an assessment item due to be submitted on a specific date, such as:

  • laboratory report
  • literature review
  • planning document

Acceptable grounds for applying:

  • personal safety issues
  • other (e.g. family or personal circumstances, employment-related circumstances, unavoidable commitments).

Maximum extension periods:

*Note, the above extension periods do not relate to requests for extensions to submit a dissertation in Bachelor (Honours) and Masters (Coursework) and (Extended).

Supporting documentation requirements:

For individual assessment items, supporting documentation is not required for extensions up to and including 3 calendar days, unless you are enrolled in a course through Open Universities Australia (OUA)*. For group assessments, all OUA assessment and extensions greater than 3 calendars days your application must include appropriate documentation to support the grounds on which you are requesting an extension. Please refer to the 'Supporting documentation for all application types' at the bottom of this page for more information.

Timeframe to apply:

  • by the due date of the assessment item.

Possible outcomes:

  • application approved for 'x' days*.
  • application declined.

*Note, for applications exceeding 3 calendar days, you will receive an interim approval of 3 calendar days before your application undergoes further review by your Course Convenor for the full extension days requested. For students registered with Student Disability and Accessibility this is extended to 10 calendar days.

Further extension on approved applications:

If you require a further extension on an already approved application, you can now do this via the online application. Documentation to support an additional extension is required and you cannot exceed the maximum allowable extension period for the reason you have selected.

Deferred assessment

You may apply for a deferred assessment if you have been prevented from attending an assessment item that is scheduled to occur on a specific date, such as:

  • exam (in-trimester or end of trimester)
  • presentation (technical or professional)
  • performance (artistic)
  • guided discussion with peers
  • test or quiz.
  • bereavement
  • sporting or cultural commitment (at state, national or international level)
  • unavoidable work commitments*
  • technical difficulties that prevented you from attempting your scheduled assessment (note, students using ProctorU who have not undertake a Practice Test and experience technical issues on the day of the final exam, may not be eligible for a deferred assessment)
  • other compassionate circumstances.

*Please note, employment related reasons will not usually be accepted as grounds for deferment, unless you are experiencing financial hardship, have been refused leave, or directed to undertake unusual or extraordinary duties that are beyond your control.

  • no later than three calendar days after the date the assessment item is due to be attended.
  • application approved and deferred assessment granted

Special consideration

You may apply for special consideration for any assessment item where your performance was seriously affected, or you were seriously disadvantaged when the assessment item was attempted. Special consideration does not apply to any re-attempted or re-submitted assessment item.

  • temporary disability
  • sporting or cultural commitment (at state or international representative level)
  • technical difficulties that prevented you from attempting your scheduled assessment
  • other compassionate circumstances (e.g. serious illness of a family member or close relative, significant and unexpected employment problems or pressures, significant relationship problems).
  • no later than three calendar days after the date the assessment item was submitted or after the date of the exam.
  • application approved and a final grade recommended based on your performance across the course
  • application approved including opportunity to provide another assessment task
  • application approved and marks adjusted (may not always result in a change of grade)

Alternate exam sitting

You may apply for an alternate exam sitting if you are unable to sit your exam at the scheduled time during the central end of trimester exam period, but have other availability during the same exam period on another date/time. It is also important to note, that not all courses permit alternate exam sittings - this is pre-approved by the Course Convenor at the start of the trimester.

  • medical or compassionate grounds
  • work commitments
  • religious and cultural obligations (e.g. weddings, funerals)
  • individual timetable falls outside the timetable guidelines
  • residing in a different time zone and your exam is scheduled at an unreasonable hour of the day, e.g. 2.00 am.
  • within 14 calendar days of the publication of the end of trimester exam period.
  • application approved and an alternate exam granted

Please be aware any attempts to alter, amend or falsify information or supporting documentation is not consistent with expectations under the Student Charter and may result in formal disciplinary action. We regularly check medical certificates, letters and supporting documents to verify their authenticity and accuracy.

If you should find yourself in difficulties and are unable to submit an assignment by the due date, it is important that,  before that due date, you request an extension.

Please note: An extension cannot be granted by the School, through its procedures as set out below,  beyond the end of the assessment and examination period for that trimester . For an extension beyond the end of the examination period, students must apply for a  Special Extension of Time .

An extension of up to 7 calendar days can be granted without supporting documentation (although it may be requested). Most units in the School of HASS, with the exception of honours and reading or project units, use the automated extension tool that allows you to self-register for a 7-day extension via the unit myLearn page for most assessments. In the first instance, please use this extension tool. Where the automated extension tool is not available, please use UNE’s extension application portal .

Please note the extension tool will grant 7-days from the original assessment due date, not from the date that you register for the extension.

An extension beyond 7 calendar days will require supporting documentation. These assessments must be applied for through UNE’s extension application portal .

Please note, that should the extension be for beyond the end of a teaching term’s assessment and examination period, a  Special Extension of Time will be required, that must be applied for through the appropriate forum submitted through AskUNE .

Note: Assignments that have received an extension may be returned with a significantly reduced level of criticism and commentary. If an extension is obtained for the final assignment, it is unlikely that the work will be returned before the examination period. Assignments submitted late without an extension may receive a mark only, without commentary.

Assignments received after the due date  WITHOUT an extension of time having been approved will be penalised.

  • Where an assignment is up to 10 calendar days late, a penalty will be imposed of 5% of the total marks for the assessment per day or part thereof. The penalty will accrue on both weekdays and weekends including public holidays (ie. 35% per week).
  • An assignment received more than 10 calendar dates late will receive no marks.
  • Tasks that are mandatory to submit that are submitted more than 10 days late but within the relevant teaching period will be deemed to have been submitted, although receiving no marks.

Students should be aware that late assignments submitted more than one week late may be returned with a significantly reduced level of, or no, feedback.

Please note that if an extension is obtained for the final assignment, it is unlikely that the work will be returned before the examination.

All coursework assignments must be submitted before the end of the examination period for trimester units unless the student has been granted a Special Extension of Time.

Special Assessments

UNE offers Special Assessments where students are unable to meet assessment requirements under specific circumstances.  The Assessment Guidelines state:

Part D - Special Assessments Due to personal health issues, unforeseen technical issues, unexpected work or family commitments or other extenuating circumstances, a student may: a. have an adverse perfomance in an assessment task or examination; or b. be unable to sit an examinatin or complete an assessment task within the relevant teaching period.

Please read the Assessment Guidelines , Part D, to ensure you apply correctly.

If you are unable to sit your exam or if your performance in the exam was severely affected, you may apply for a Special Examination. This is subject to approval, so it is always best that you attend your examination if you possibly can.

If your circumstances do not merit a Special Examination, you may apply for Special Consideration so that the Unit Coordinator can apply some discretion when marking your paper. If you have not sat/will not sit the exam you MUST apply for a Special Exam.

A student who is enrolled in a unit which is not subject to formal examination, or which the formal examination is the basis of a part of the total assessment, and who has been prevented through illness or other unavoidable circumstances from completing, by the specified date, work which the School considers essential, may seek a Special Extension of Time in which to complete the work. Special Extensions of Time apply to an assignment(s) that is unable to be submitted prior to the last day of the relevant examination period.

When asking for an assignment extension or a deferred exam, what should I do if I didn't get a doctor's certificate within a reasonable time?

If you are applying for an extension of an assessment on medical grounds, you must obtain a medical certificate on or before the assessment item's due date and time. If you are applying to defer an exam on medical grounds, you must obtain a medical certificate no later than two business days after the date of the original examination.

Lodge your application as early as possible.

It may take up to five working days to receive a response to assignment extension or deferred exam applications. You should continue working on your assessment while your application is being processed.

Supporting documentation

All other applications will be processed as normal and will need supporting evidence.

You must provide relevant supporting documentation by scanning or photographing documents and uploading them to your online application form.

Applications won't be processed until your documentation is received.

The original supporting documentation must be available to be produced on request. Medical certificates must make it clear that your doctor thought you were unable to study.

Applying for assignment extensions.

How do I apply for an extension of the due-date for my assignment?

Extensions are normally only granted if there are exceptional circumstances affecting your study, which you can substantiate with supporting documentation. To apply for an extension you need to:

  • Submit an  application for Special Consideration  no later than three University working days after the assessment is due or class missed); and
  • Attach supporting documents or evidence. For example, a medical certificate.

Special consideration

If your performance in an assessment task or exam for a subject was affected by circumstances beyond your control, you may be able to apply for special consideration.

Special consideration is intended to provide equitable academic treatment for students whose performance in an assessment task / exam has been significantly affected by extenuating or special circumstances beyond their control.

Special consideration is not automatically granted and may not result in a study or mark adjustment.

Covid-19 - supporting documentation:  Starting in 2023, Covid-19 test results will no longer be accepted as a form of supporting document for special consideration. If you have tested positive for Covid-19 and would like to apply for special consideration, please refer to the supporting document requirements for health-related matters .

Can I apply for special consideration? 

You may apply for special consideration if you were affected by:

  • A health-related matter i.e. serious illness, psychological condition
  • A loss or bereavement
  • Online technical issues e.g. during an online exam
  • Hardship or trauma
  • Exceptional employment demands i.e. active service, Australian Defence Force reserve, State Emergency Service
  • Religious commitments
  • Other circumstances e.g. summons, court order, etc.

The circumstances below are not eligible for special consideration:

  • Minor ailments or illness where you are still capable of completing the assessment task
  • Balancing workload or work commitments
  • Public transport delays
  • Personal events i.e. weddings, birthdays, travel plans
  • Events which occurred at an unreasonable length of time in the past

Students who are parents/carers/pregnant:  Find more about balancing study with significant carer responsibilities . Long-term or ongoing circumstances:  If you are experiencing a recurring medical condition, we are encourage you to register with UTS: Accessibility Service . 

Knowingly making false or misleading claims of extenuating circumstances or altering or falsifying any documentary evidence (e.g. medical certificate, professional authority form, or other supporting documentation) may be considered an act of student misconduct and may be dealt with in accordance with Section 16 (Student misconduct and appeals).

How do I apply for special consideration?

To apply for special consideration online:

  • Login into My Student Portal with your UTS credentials 
  • Click on  Special Consideration
  • Follow the prompts
  • File format must be PDF and file size must not exceed 10MB.
  • Multiple files can be uploaded.
  • You must attach your supporting documents and submit before the deadline.
  • For a list of accepted supporting documents, refer to the section Supporting documentation .
  •  Click  Submit .
  • You will be notified of the outcome of your application via an email to your UTS webmail account. 

Applying for multiple assessments / exams When circumstances affect more than one assessment task or exam, you must submit a separate special consideration application for each and attach your supporting documents to each application. 

When do I need to submit my application by? 

The deadline for your special consideration application varies depending on the type of assessment or exam. 

Centrally-conducted exam

These are also known as end-of session exams. The Exams team (from Student Administration Unit) schedule and conduct these type of exams (including online exams).  

If you know in advance (before the exam period starts) that you cannot attend a centrally-conducted exam then you need to submit a Scheduling Difficulties form to Exams before the deadline. 

Faculty-based exam / in-class quiz or test

These are conducted by the faculties during or after the teaching period. 

These include:

  • Online quiz / test
  • In-class quiz /test
  • Faculty-based exam
  • Take home exams

Alternative exam

If you miss a centrally-conducted Examination, you may apply for an Alternative Exam. If you miss an Alternative examination as well, you can apply for Special Consideration.

*Law students should apply for Exam after Examination period instead of Special Consideration. 

Assessments

All assessments should be submitted by the due date specified in the subject outline to avoid academic penalty or failure. Assessment items include but are not limited to:

  • Assignments
  • Creation of digital products

A request for an extension on assessment must be made in sufficient time before the assessment due date so the subject coordinator can assess and consider the outcome. This will allow you time to complete the assessment by the deadline if your application is refused.

Law students requesting for less than one week are to apply for Short-term Extensions . Deadlines are outlined on the Faculty of Law's webpage . 

UTS Online students should refer to Canvas course page, subject outlines and/or UTS handbook for advice on requests for extensions.

*Students studying psychology requesting an extension need to apply following the Graduate Diploma in Psychology / Graduate Diploma in Psychology (Advanced) assignment extension policy. 

Clinical Placement

This assessment type applies to students who have mandatory attendance requirements for clinical placements.

Some courses have mandatory attendance requirements such as:

  • Compulsory attendance in class or tutorials
  • Work placements (that is not clinical placement)
  • Presentations

Late applications may be lodged only in exceptional circumstances. Such requests must be supported by documentary evidence for the late submission. 

Supporting documentation

All special consideration applications must include current supporting documents as evidence to support your claim. You may be required to supply originals of these documents at any time during your studies at the University.

The supporting documents must clearly indicate:

  • The details of the circumstances
  • The impact on your ability to complete an assessment / exam
  • The duration of the circumstances (include and start and end date)
  • A physical signature and contact number of an appropriate representative
  • The date the supporting document was issue

Special consideration applications will be refused if no documentation is provided or the documentation provided does not support your claims.

Important -  UTS will not obtain documents on your behalf from third parties (e.g. medical doctors, hospital or police).  However, the University may verify the documentation provided with your application with the issuing authority. Disciplinary action may be taken if false or misleading documentation is submitted.

What supporting documents can I submit? 

In the first instance, please submit a Professional Authority (PA) form  which needs to be completed by a medical practitioner, psychologist, counsellor, or other registered health practitioner. 

The PA form must include both the AHPRA Practitioner Registration Number  AND  the Medicare Provider Number (not required if being treated by UTS Health Service practitioners).  If either number is missing, then the Professional Authority form cannot be accepted. 

UTS require both these numbers to authenticate the registration of the health practitioner. The  Australian Health Practitioner Regulation Agency (AHPRA) Register of Practitioners (opens an external site) provides the Practitioner Registration Number of health practitioners.  

Alternatively, you may submit any of the following documents depending on the special consideration reason:

What must be included on a medical certificate?

UTS currently accepts medical certificates issued by a registered health practitioner after a face-to-face, video conferencing, or telephone consultation. 

Students in Australia

The medical certificate must include: 

  • severity and impact on ability to complete an assessment / exam 
  • duration of the impact (start and end date) 
  • health practitioner’s Medicare provider number 
  • health practitioner’s AHPRA Practitioner Registration number  
  • telephone contact and address details of the health practitioner 
  • signature of the health practitioner 
  • date of issue  
  • issued on official letterhead

Students who are overseas

UTS accepts medical certificates from overseas. The medical certificate must include:

Any medical certificates that are in a language other than English must be accompanied by an English translation performed by a NAATI-accredited translator (opens an external site). 

Note:  The medical certificate will not be accepted if any of the details listed above are missing.  

What must be included in a Student Declaration form?

Any students who experienced an online technical issue during an online exam are required to complete a Student Declaration.

Examples of online technical issues:

  • Internet / power outage
  • UTS system / program issue e.g. Proctor U
  • Hardware issue 

The Student Declaration form must include:

  • Subject details
  • Date(s) affected
  • Description of the online technical issue
  • Student signature and date

In addition to the student declaration, you may also submit secondary supporting documents such as:

  • Report from service provider of outage
  • Screen capture (include the date and time)
  • Evidence of Service Connect request ticket logged
  • Error report

What must be included in a Statutory Declaration form?

A Statutory Declaration is a written statement which a person declares to be true in the presence of an authorised witness (e.g. Justice of the Peace, lawyer, notary public etc.). 

The statutory declaration must include: 

  • your full name 
  • nature of the unexpected circumstances 
  • duration of the circumstances (start and end date) 
  • impact on your ability to attend exams, classes or complete assessments  
  • details of any group work that might be affected. 

You may also need to provide any secondary documents that verify your circumstances and address the impact on your studies.

Examples of appropriate supporting documents include a police report or a death certificate. If you need to travel interstate or overseas for a funeral, you will need to provide a travel itinerary or statutory declaration for the additional time you are away. 

You can download a Commonwealth of Australia Statutory Declaration form  online   (opens an external site). It must be signed in front of a  Justice of the Peace  (opens an external site) or  an authorised witness .  

Note:  Under new NSW Government  regulation  (opens an external site), video conferencing technology like Skype, WhatsApp, Facetime and Zoom can now be used in the witnessing of legal documents such as statutory declarations.

Other types of supporting documents

Students affected by other circumstances (i.e. not based on health-related matter) should provide a third party or independently verified document (e.g. a letter from a relevant authority) such as a: 

  • detailed police report for incidents  
  • formal letter from a minister of religion (e.g. priest, rabbi, imam)  
  • formal letter from employer  
  • formal letter from a counsellor 
  • formal letter from a funeral director (accompanied by an obituary or funeral notice) 
  • copy of a summons, subpoena, court order, or notice of selection for jury duty. 

This should be written on an official letterhead and must include the following details: 

  • details of your circumstances 
  • impact on your ability to study 
  • duration of the circumstances / impact (start and end date) 
  • a physical signature and phone number of an appropriate representative 
  • date the statement was created.

Where to certify documents while overseas?

UTS accept documents from overseas if they are certified by one of the following:

  • an Australian overseas diplomatic mission
  • a UTS authorised representative or agent
  • a public notary office
  • the administration of the institution which issued the relevant document
  • International Education Specialists  (opens an external site)
  • an Australian university.

Please note that all certifications must be in English.  

When supporting documentation is in a language other than English it must be accompanied by an English translation by a NAATI-accredited translator  (opens an external site).

Will my personal information be kept confidential.

Special consideration applications often contain sensitive personal and/or medical information. Student confidentiality is important to us.

What can I do if exceptional circumstances are preventing me from submitting a special consideration application by the deadline?

Applications submitted after the deadline will not be accepted. You may request a late submission in exceptional circumstances only. Submit online enquiry and include reasons for late submission which also must be supported by documentary evidence.

Why does the PA form require both the AHPRA Practitioner Registration number and Medicare Provider number? 

In order to be able to authenticate the Professional Authority form and identify fraudulent documents, UTS must be able to confirm the Practitioner Registration Number of your health practitioner on the AHPRA register.

What should I do if I am unable to upload my supporting document?

Students who experience difficulties in scanning and attaching their supporting documents should submit an online enquiry . 

What if I have not received an outcome? 

The outcome of an application will be sent via email to the student’s UTS Webmail . Students can monitor the status of their application by logging into My Student Portal . If it has been several weeks and the status of the application is still showing as Referred to Faculty students should contact the subject coordinator.

If something prevents you from meeting the deadline for an assignment, then you should refer to your subject outline for the details of the extension process.

How to apply

Before you apply, follow these steps to make sure you're eligible and if so, that your application is complete.

Check your subject outline

You should apply for Special Consideration as soon as possible after the circumstances have occurred.

Make sure you're eligible

You’re eligible for one automatic extension per subject, per session, for subjects studied in Session 1 (30), Session 2 (60) and Session 3 (90). Automatic extensions are not available for micro-sessions and year-long subjects.

For any other extension requests, you’ll need to make sure you include the right documentary evidence to support your application.

If you're applying because of illness, your medical practitioner will need complete a  Charles Sturt University Student Medical Certificate form [PDF] and you must submit this with your request.

Applying for an extension, how do i apply for an assignment extension.

If circumstances have affected your ability to complete an assessment task on time, you may be eligible for an assignment extension of up to ten working days .

Eligibility

  • Your application is submitted before the assignment due date, or date of the assessment.
  • You meet all requirements as listed in the policy outlining extensions .

How to apply

  • Whether an extension is appropriate for your circumstances, and
  • Confirm which faculty or school owns the subject, as the process varies from faculty to faculty.
  • Follow the appropriate process outlined in the table below. You can apply any time before the assignment due date or date of assessment.

When should I apply for Special consideration instead of an extension?

  • The impact of your circumstances requires an extension of more than ten working days and you meet the eligibility criteria for Special consideration.

If you are affected by a chronic, permanent or ongoing illness, disability or hardship, are an Elite Athlete, Elite Performer, Army Reservist or Emergency volunteer you may Register for ongoing support . Your Academic Adjustment Plan (AAP) cannot be applied retrospectively so it is important to have this in place well in advance of any assessment deadlines.

For Graduate Researchers - extending your candidature

  • 4 years (8 years part time) for a PhD or doctoral degree

When can I claim special circumstances?

Special circumstances apply differently depending on the situation.

If you think special circumstances might apply to you, make sure you check the information for your situation.

You might be able to claim special circumstances when:

  • applying for an assignment extension
  • deferring exams
  • applying for special consideration for assessment
  • taking a leave of absence
  • adding or swapping units
  • withdrawing from units
  • claiming student fee refunds
  • requesting to transfer to another education provider (international students) .
  • requesting to transfer to another education provider (international students).

What can I claim special circumstances for?

When making a claim, you must provide independent supporting documents with your application to demonstrate special circumstances. You'll need to provide different types of documents depending on what your special circumstances are.

Special circumstances may be accepted for some applications but not for others. For example, if you're sick you may be granted an assignment extension but remain ineligible to withdraw without academic penalty from a unit. Withdrawing without financial or academic penalty after the due dates requires more substantial supporting documentation to be provided.

Health conditions (physical and mental)

You may be able to claim special circumstances if you're unwell, or a pre-existing physical or mental health condition has changed to such an extent that you're unable to continue studying, either temporarily or for the remainder of the semester.

Documents you must supply

You must provide a certificate or letter from a registered health practitioner, stating:

  • the date(s) the practitioner examined you
  • the nature, severity and duration of the complaint (where appropriate)
  • that, in the practitioner's opinion, you weren't fit to study or sit an exam on the relevant date (dates must be specified)
  • the health practitioner's name, contact details, provider number and signature.

A statement that you are or were suffering from a 'medical condition' without supporting comments from the practitioner on the effect of the complaint will not be sufficient.

Certificates provided must be dated within the time frame of the teaching period for which you are applying. Retrospective certificates will only be accepted where the issuing practitioner provides a dated history of your treatment.

We won't accept your application if your certificate or letter does not comply with these requirements. If it doesn't comply, you'll need to submit a new medical certificate or letter before we will process your application.

Attempts to alter, amend or falsify information on a medical certificate or letter from a registered health practitioner may result in formal disciplinary action. We regularly check medical certificates, letters and supporting documents to confirm their accuracy.

If you have a QUT Access Equity Plan, which is current for the semester and contains an assignment extension recommendation, we'll consider it as documentation for an assignment extension.

If you've tested positive for COVID-19, you should attach a medical certificate from a registered health practitioner (including supporting information from the practitioner as listed above).

Family or personal circumstances

You may be able to claim special circumstances if family or personal circumstances beyond your control have arisen or become apparent, and make it unreasonable for you to undertake study for a short period of time or expect you to continue studying for the remainder of the semester.

Family or personal circumstances include:

  • death or serious illness of a close family member or friend
  • significant medical problems within your family
  • family or relationship breakdown
  • severe disruption to domestic arrangements
  • being victim of a crime or accident
  • collapse of a family business which is severe enough to require your personal attention or unreasonable to expect you to commence or continue studies.

A decision based on family or personal circumstances is more subjective than one based on medical grounds.

Depending on the nature of the circumstances, supporting evidence may include a medical certificate or letter from a counsellor, doctor or police officer.

The supporting documentation must contain the name, date and contact details of the person providing the evidence. It should also demonstrate the impact these circumstances have had on your ability to complete your studies.

Employment-related circumstances

You may be able to claim employment-related special circumstances if your employment status or arrangements have changed to make it unreasonable to expect you to continue studying.

Employment-related circumstances may include:

  • defence reserve service
  • transfer to another city or country
  • substantial changes to your employment such as unexpected increase in responsibility and work hours.

Sudden and unplanned travel for work that's beyond your control may be considered for an assignment extension or deferred exam.

Applying for and being appointed to a new position will not be grounds for employment-related applications as these are normally circumstances within your control.

International students on student visas can't claim employment-related special circumstances.

You'll need to provide a signed and dated statement from your employer on official company letterhead stating:

  • the date your employment began or the conditions of employment changed
  • how this affects your study.

Unavoidable commitments

You may be able to claim special circumstances for unavoidable commitments in very limited cases. These are:

  • jury duty or other court appearances
  • sporting events where you have been selected to represent at a state, national or international event
  • significant cultural commitments
  • State Emergency Service call-out in the event of an emergency.

A signed and dated statement on official letterhead from an appropriate representative of the organisation stating:

  • the date of the jury duty, court appearance, sporting or cultural event, or emergency service
  • how this affects your study
  • why these commitments were not foreseen particularly in relation to sporting and cultural commitments.

Course-related circumstances

You may be able to claim special circumstances if a unit has been changed and therefore you'll be disadvantaged by:

  • not being able to complete the unit
  • not being given credit towards other units or courses.

A supporting statement from the QUT school or faculty that offers the unit, clearly indicating that changes made it impracticable for you to complete the unit requirements.

Academic Consideration Requests (ACR)

Important: when submitting a request for academic consideration, students must contact their program department with any questions about submitting acr's including; when to expect a decision on verification and how to proceed with your instructor when a request has been verified.  students must always communicate with their instructor when they have missed or intend to miss an academic obligation. , the senate office can not make decisions on accepting or granting academic consideration requests.  .

Any student in full-time, part-time undergraduate, graduate, law, and/or The G. Raymond Chang School of Continuing Education, and who is currently enrolled in courses at Toronto Metropolitan University can submit a request for academic consideration with documentation (and in limited circumstances once per term without documentation (see Section 5.3)), when they experience extenuating circumstances that have a significant impact on their ability to fulfill an academic requirement (e.g., their ability to attend classes, write a scheduled term test or exam, and/or meet an assignment deadline).

Academic Consideration requests will be evaluated in a fair, timely, and consistent manner throughout the University. 

Students must contact their program department with any questions about submitting ACR's including: when to expect a decision on verification and how to proceed with instructors when a request has been verified.   The Senate office does not make decisions on accepting or granting academic consideration requests.

What is an Academic Consideration Request (ACR) and who can apply?

Academic consideration is a form of alternate arrangement that may be made with the approval of the course faculty/contract lecturer, when a student experiences extenuating circumstances that prevents them from completing an academic requirement. 

An incomplete academic requirement can include (but is not limited to); the ability to attend a class or classes, participation in lab work, writing a scheduled term test or exam, and/or not meeting an assignment deadline.  

Academic Consideration requests (with or without documentation) are for periods that are of a short-term duration (normally no more than 3 days; see Section 5.2 ), that have a significant and adverse effect on a student’s ability to fulfill an academic requirement. 

Alternate arrangements may only be approved by the course faculty/contract lecturer.  The type of alternate arrangement available will be based on the faculty/contract lecturer's consideration of the severity of the student’s circumstances, the impact on the student’s academic performance, and the amount of work that will be affected.  Alternate arrangements should be consistent with the guidelines found in Policy 166: Course Management .  Students receiving academic considerations must meet all essential academic requirements and standards of the program.

Examples of possible alternate arrangements could be:

(a) extension of a deadline; (b) rescheduling or reweighting of a test, exam or assignment; or (c) assignment of an Incomplete grade (INC)* 

*Per Policy 170(a), Procedures, Section 3.1 . Students must petition their faculty/contract lecturer by completing the   (PDF file)  Incomplete Grade Request Form to receive an INC designation, within 3 (three) working days, or as soon as reasonably possible, of the missed final examination or assignment deadline. Supporting documentation (e.g. Toronto Metropolitan Health Certificate) must be provided.

Circumstances that may qualify for Academic Consideration

Extenuating Circumstances are of a short-term duration (normally no more than 3 days; see Policy 167; section 5.2 ), and have a significant and adverse effect on a Student’s ability to fulfill an academic requirement.  

Extenuating circumstances are those that are:

  • outside of a student’s immediate control; 
  • could not have been reasonably foreseen or avoided; 
  • and significantly impacts a student’s ability to fulfill their academic requirements.  

Students with academic accommodations who have extenuating circumstances not related to their academic accommodation are still expected to submit requests for academic consideration for incomplete academic requirements .

Examples of Extenuating Circumstances are:

Health : physical and mental health issues that are either sudden or acute, including but not limited to unexpected illness or injury, hospitalization, urgent treatment, or significant aggravation of a pre-existing condition.

Compassionate : events, circumstances or emergencies that cause undue hardship, personal distress and/or trauma, including but not limited to:

  • death or life-threatening injury or illness of a close relative or friend;
  • traumatic experiences including being a victim of, or witness to a serious crime
  • involvement in, or witnessing a serious accident;
  • significant disruption to a student's domestic arrangements;
  • sudden loss of income or employment;
  • caregiver responsibilities, where a student has substantial unplanned responsibilities to members of their immediate family or members of their household who need their care and support.

Other Extenuating Circumstances : may include, but are not limited to the following:

  • participation in a University-sanctioned event (e.g., varsity sports), or other events in which the Student is representing the University, where the event conflicts with the requirements of a course;
  • participation in events such as conferences, case competitions, or field trips related to the Student’s field of study;
  • legal commitments, where a Student is required to attend court.
  • assigned duties within the Canadian Armed Forces (documentation required, e.g., signed letter from the Officer Commanding or higher with the dates of required service)

Circumstances that may not qualify for Academic Consideration

The following circumstances are not covered by Policy 167: Academic Consideration. 

  • Students who are seeking academic accommodation for temporary or permanent disabilities that have a longer-term impact on their academic functioning (e.g., longer term medical conditions, learning disabilities, sensory impairments, acquired brain injuries, attention deficit/hyperactivity disorder, mental health or mobility issues. Students who are seeking Academic Accommodations for a chronic or ongoing health/mental conditions, learning disability, or an existing disability should register with Toronto Metropolitan University  Academic Accommodations Support .  For more information please refer to Policy 159: Academic Accommodations for Students with Disabilities . 
  • Religious observances: Students who are seeking academic accommodation for Religious, Aboriginal and Spiritual observance should refer to university Policy 150: Accommodation of Student Religious, Aboriginal and Spiritual Observance. Please refer to TMU  Human Rights Services for additional information. 
  • Family events (e.g, wedding, vacation, general or extended travel, etc.) or competing commitments (e.g. work, volunteering, extra-curricular activities, etc.) are not covered by this policy as they are planned, foreseeable commitments.
  • Technological difficulties including persistent computer failure and ongoing intermittent (or unavailable) internet access as it is the student’s responsibility to ensure they have access to the tools they require for their studies.

Applying for Academic Consideration

Applying for academic consideration .

Students must request Academic Consideration (ACR) for extenuating circumstances through the ACR online portal , preferably before the applicable academic obligation due date and within three business days of a missed academic requirement, in order for it to be considered*.  

Requests for academic consideration should include:

  • the reason for the request, 
  • the anticipated return date (should not extend beyond three days or be unknown), 
  • the affected course and the due date of the academic obligation and supporting documentation (see section 5.2  Documentation for more information). 

Students requesting Academic Consideration for missed academic obligations in more than one course must select the number of obligations and courses covered under the ACR submission. Failure to identify a specific course or obligation might result in no consideration received in that course.

After submitting an ACR online, an automatic email notification will be sent to the student’s program office as well as the relevant faculty/contract lecturer(s). Students will also receive a confirmation receipt of their request via their Toronto Metropolitan email account. Students should retain the reference number provided in the receipt and refer to it when communicating with their program office and/or faculty/contract lecturer about their request.

Requests submitted to the portal will be reviewed by the student’s department/school/program designated decision maker.  Decision makers will either “verify” the timeline of the submission against the missed academic obligation or “not-verify” if the request does not align with the requirements stated in Policy 167 .  Supporting documentation will be evaluated and shared with the  faculty/contract lecturer(s). (please see Supporting Documentation section 5.2 for more information). 

Once the request has been reviewed and verified, an automatic confirmation email will be sent to the student and the affected faculty/contract lecturers. 

After the documentation has been verified, it is the student’s responsibility to contact each faculty/contract lecturer via email. The faculty/contract lecturer will then decide whether or not to grant academic consideration and make acceptable alternate arrangements.

If a student is using their one-time submission without documentation, it is the student’s responsibility to contact each faculty/contract lecturer, via email, to declare that they have or will miss an academic obligation. The faculty/contract lecturer will then decide whether or not to grant academic consideration.

Students should refer to their course syllabus for additional guidelines provided by the faculty/contract lecturer for requesting Academic Consideration.

*In rare situations, exceptions to the three-business day submission requirement can be granted if the extenuating circumstance, including documented mental health issues, prevents a student from consulting a health professional or documenting their extenuating circumstance in a timely fashion.

Documentation

Students are required to request Academic Consideration with supporting documentation in all cases where the missed obligation is a final exam and/or final assessment.  In limited circumstances students may submit a request without supporting documentation once per term at their discretion, however, documentation is always required in circumstances where the missed obligation involves a final exam and/or final assessment.  

Documentation is required (e.g. Toronto Metropolitan Health Certificate  (external link)  for brief absences in any one of the following three circumstances:

(a) a request for academic consideration without documentation has already occurred in that academic term; (b) the Academic Consideration involves a final examination or final assessment; or (c) in cases of temporary absence that last more than three days.

Content of Supporting Documentation

While students are not required to disclose specific details of the Extenuating Circumstances in support of their request for Academic Consideration:

(a) documentation which is vague or overly general may be deemed insufficient to support a finding of Extenuating Circumstances; and

(b) documentation submitted by the student will be shared with the faculty/contract lecturer, Chair, or Director for decision making purposes.

The ACR online system will automatically monitor submissions. If a student has already submitted their ACR without documentation for the term, further attempts to submit an ACR without documentation will be restricted.  Students who have exceeded their one time per term ACR without documentation, must submit documentation for any future requests in that same term. See Policy Section 5.2 (a) .

Students who submit more than two requests for academic consideration per academic term may be required to meet with an advisor in their program department to ensure they have appropriate support in place to meet their academic needs. In such cases, students may be asked to provide additional relevant documentation before processing their request(s) for academic consideration.

Assessing a Request for Academic Consideration

When a student submits a request for Academic Consideration, and it is verified, the faculty/contract lecturer will review the request along with any supporting documentation and evaluate the severity of the student’s circumstances, the impact on the student’s academic performance, and the amount of work that will be affected. The faculty/contract lecturer will then determine what form of alternate arrangement (if any) is available and appropriate. 

Criteria (i) through (v) will be considered by the faculty/contract lecturer when deciding:

(a) whether to grant a request for Academic Consideration; (b) the type of alternate arrangement (if any); and/or (c) the need to provide a referral for other relevant support services.

(i) The severity of the student’s circumstances, their impact on the student’s academic performance, and the amount of work that will be affected if the Academic Consideration is granted

(ii) The extent to which the circumstances and their impact were beyond the student’s control

(iii) The relevance of supporting documentation (where documentation is required)

(iv) Previous requests by the student for academic consideration

(v) Other relevant considerations (e.g., nature of the course requirements)

The faculty/contract lecturer will assess the merit of the request and respond to the student within five (5) working days of receiving the request. If a response is not received from the faculty/contract lecturer within five (5) working days the student should contact the faculty/contract lecturer again or consult with the Chair/Director via email.

Approval of Academic Consideration requests is at the discretion of the course faculty/contract lecturer. Submission of supporting documentation does not guarantee that academic consideration will be granted.

Possible Outcomes

The following outcomes may be  available when a student submits a request for academic consideration; 

Request Granted

If the request is granted by the faculty/contract lecturer, the student will be provided with an Alternate Arrangement that is consistent with Policy 166: Course Management guidelines. 

Acceptable alternate arrangements may include:

  • extending a deadline, 
  • setting a make-up test, or 
  • transferring the weight of the missed work to the final examination
  • assignment of an Incomplete grade (INC)* 

*Per Policy 170(a), Procedures, Section 3.1 . Students must petition their faculty/contract lecturer by completing the  (PDF file)  Incomplete Grade Request Form to receive an INC designation, within 3 (three) working days, or as soon as reasonably possible, of the missed final examination or assignment deadline. Supporting documentation (e.g. Toronto Metropolitan Health Certificate) must be provided. 

Assignment of an incomplete grade (INC)

If the ACR has been granted and the missed component cannot be completed before final grades are due that term, the student can request an incomplete (INC) grade to allow extended time to complete and submit the work. An INC form must be filed by the faculty/contract lecturer indicating the date by which the work must be completed. See Policy 46 for details on an INC grade.

It is the students’ responsibility to follow up with the faculty/contract lecturer to ensure completion of an INC within the approved time frame. If the INC is not completed during the designated time frame, it will convert to a grade of “F”.

If students encounter problems making arrangements for completing an INC with their faculty/contract lecturer they must contact the Chair/Director as soon as they are aware of the issue.

Once an Alternate Arrangement is accepted by the student, it is final. If a subsequent Extenuating Circumstance interferes with the fulfillment of that Alternate Arrangement, students must immediately contact the faculty/contract lecturer to discuss next steps.

All consideration decisions and arrangements must be documented via Toronto Metropolitan email.

The final grade in the course may not be appealed by the student based on an allegation that the alternate arrangement was inadequate or unfair.

Request Not Granted

Students who are not offered an alternate arrangement (because they have not satisfied the requirements of this Policy); or do not accept the alternate arrangement offered by the faculty/contract lecturer, may consult with the Chair/Director of the Teaching Department or in the case of Graduate Students, with their Graduate Program Director.

Grade Appeals

If after the consultation with the Chair/Director of the Teaching Department (or in the case of Graduate Students, with their Graduate Program Director), the student’s alternate arrangement remains unresolved, or if the alternate test or assignment becomes a point of contention in the final course grade or violates the Course Management Policy 166, the student may submit an appeal of their grade once released by the Registrar’s Office. 

Academic Consideration vs Academic Accommodations

Academic Consideration is the general name given to a number of different alternate arrangements that may be made in response to students with shorter-term issues (or what are officially called “extenuating circumstances”) and normally do not exceed three business days, are outside of a student’s immediate control, could not have been reasonably foreseen or avoided, and significantly impacts a student’s ability to fulfill their academic requirements.  

Alternate arrangements can only be provided at the discretion of the faculty/contract lecturer and must meet the guidelines outlined in Policy 166: Course Management. 

Academic Accommodation involves a planned variation or modification in the way a student with a disability receives course curriculum and materials, participates in course and non-course degree requirements, and is evaluated and assessed, in order to acquire and demonstrate the essential academic requirements needed to successfully meet the learning objectives of a course or program.

Academic Accommodation Support (AAS) works with students to create and implement individualized academic accommodation plans. Developing academic accommodation plans will vary from student-to-student depending on individual disability-related needs. 

For students with an expectation of receiving academic accommodation support, it is very important to register early with AAS. 

AAS has a deadline every term by which it must receive requests for exam accommodation.

Students who may require additional support. 

Departments have the ability to monitor students with high volume submissions to the ACR system.  Students who submit two or more ACR's in the same term will receive an automatic notification advising them to contact the department/school/program or academic advising, for support. 

However, departments can also be proactive and reach out early when they notice a student who submits multiple requests and may be struggling to maintain their academic committments.  Students in these situations may be experiencing circumstances that require a referral to Academic Accommodations Support or other TMU student support services. 

AAS in partnership with the Senate office have developed  tools to assist students, administrators and program directors to assess when academic consideration may involve a conversation about or a referral for academic accommodations.

Students must submit their extension request directly to the Student Affairs Office  prior to the submission deadline .

For all assessments (including in-term assignments, Term Essays, and Final Papers), complete the online extension request form .

Regulations on extensions for the submission of assignments

The Faculty policy on extensions is described in the Faculty Regulations (Reg. 27), according to which extensions are only granted on the basis of a medical certificate or analogous circumstances. Students are reminded that these regulations are strictly enforced out of fairness to all students. Students should take cognizance of these in planning their academic workload and other commitments, and make note of the dates and times of deadlines. If unsure of a deadline, please consult with the instructor.

The Student Affairs Office reserves the right to make final decisions regarding what accommodations are reasonable and appropriate in the circumstances.

The deadline for all written work to be submitted is 15:00 (unless the instructor specifies an earlier time). Course work received after 15:00, without an approved extension, will be subject to a grading penalty. All assignments submitted are final - students will not be permitted to submit any additional work or an alternative version. Only the initial submission will be forwarded for grading.

Requests for medical reasons

If there is a medical reason justifying an extension, students must obtain supporting medical documentation . Medical certificates must be written by an attending physician, confirming the consultation date(s), date(s) of illness, nature of illness, treatment, duration of illness and effects. The physician should confirm whether or not the illness and/or medication prescribed would have had a “significant impact” on the student’s performance.

Supporting medical documentation must be submitted no later than five (5) working days after the date of the original deadline. The supporting documentation must be dated as seen by a medical professional no later than two (2) working day after the deadline.

The note or letter must include the following information:

  • Date the healthcare provider saw the student;
  • Duration of illness or impairment;
  • Comments on the effect of the illness/impairment on the student’s ability to complete the assignment in question; and
  • Signature of healthcare provider.

Documentation in support of a extension request will be required and must be attached to the Extension Request form .

Once an extension has been granted, unless there is a new, extraneous circumstance that would not allow you to meet the extended deadline, we would not generally allow a further extension. Supporting documentation will be required.  The Student Affairs Office reserves the right to make final decisions regarding what accommodations are reasonable and appropriate in the circumstances.

Reasons for which an extension request will normally be REFUSED:

  • Employment reasons
  • Travel/vacation/social plans
  • Medical problems which do not seriously interfere with immediate pre-exam preparation, or the student's ability to take the exam on the scheduled exam day
  • Airline flights and schedules
  • Inability to have an assignment typed by the due date
  • Other assignments due on or about the due date
  • Printer and/or computer issues (includes access to internet and/or computer crash)
  • Inability to submit an assignment on time due to travelling difficulties, includes parking or traffic issues.

N.B.1 The SAO will also take into consideration the applicant's prior history of making applications for extensions. Records of previous applications are retained by the SAO.

N.B.2 Students are responsible for backing up all their computer work, whether it be for an assignment, term essay, take-home exam, course summaries... Loss of data may not result in a deferral or an extension.

Instructors cannot grant extensions

At the Faculty of Law, permission to delay submission of required term work must be obtained from the Student Affairs Office. It cannot be granted by the instructor.

If, in the opinion of the Director, there is sufficient reason to permit a delay in the submission of required term work, an extension of the deadline after the end of the course may be granted to the student. In this case, the instructor will submit a grade of “K” (incomplete). If an extension of the deadline is granted, the Director will indicate the date by which the student must complete the work.

If the instructor submits a new grade within the new deadline, both the new grade and the grade of “K” will appear on the student's faculty reports and verification forms. However, on the student's official transcript the new grade will replace the “K”.

If the required work is not completed before the deadline, a grade of KF will be updated on the student's record. A “KF” denotes a failed course and is calculated in the TGPA and CGPA the same as an “F”.

In exceptional circumstances, and with the approval of the Student Affairs Office, the deadline may be extended further, in which case the grade of “KE” (further extension granted) will appear. If the extended deadline is not met, a grade of “KF” will replace the “KE”.

Term and Senior essays

A supervised essay is due on the fifth working day prior to the last working day of the examination period of the term for which it is being written, unless another and earlier date has been fixed by the instructor by arrangement with the student in question and communicated to the Associate Dean (Academic).

Other final essays and papers

Final essays and papers in any other law course are due on the fifth working day prior to the last working day of the examination period of the term for which they are being written, unless another and earlier date (not earlier than the first day of the examination period) is fixed by the instructor and announced within one week from the commencement of lectures, and communicated to the Associate Dean (Academic).

In-term assignments

The foregoing provisions do not apply to other in-term evaluations in a course, these being due at the dates fixed by the instructor.

Late penalties

In the absence of a medical certificate or analogous circumstances, any required evaluation submitted after its due date and time shall be assessed a penalty of one grading unit per day late (including weekend days). (Academic Regulation 27)

Take-home examinations

Take home examinations are subject to a different regime. Penalties are assessed on an hourly basis, depending on the overall length of the examination.

Applying for an assignment extension.

Regardless of whether you are studying internally, online or externally, you will need to consult the Unit Information Guide (without delay) to see how your Unit Coordinator requires requests for an extension for an assessment to be made. Usu ally, to request an extension you will need to email your Unit Coordinator with your request and  ask for confirmation so that you can avoid any assessment penalty. Make sure to collect and attach any supporting documentation (i.e., a medical certificate).  

Try to avoid the trap of falling behind in submitting your assignments. Remember that the due dates for assignments have been organised to give you the opportunity for maximum feedback during the teaching period. Be aware that any extension granted may have repercussions on your other study commitments.  

And finally, never assume that an extension will be granted.

Division of Temporary Disability and Family Leave Insurance

If your patient or their caregiver applied online for benefits, they will provide you with printed instructions for completing your medical statement (form M-01) online. If they have been approved for Temporary Disability benefits and wish to extend their claim further, they will provide you with printed instructions for completing your medical extension (form M-03) online. I also wouldn't demand a sick student provide a doctor's note. Going forward, set a policy that any student who request an extension before an assignment or exam gets one extension, no questions asked.
