In this article, we'll review 3 ways to remove notes in PowerPoint:

  • Use the Inspector (Windows)
  • Save the presentation in PDF format (Windows or Mac)
  • Create and run a macro (Windows or Mac)

Remove speaker notes using the Inspector

The Inspector is a useful tool that is available in the Windows version of PowerPoint and can remove notes and other elements from a PowerPoint presentation. You can access the Inspector through the File tab in the Ribbon and clicking Check for Issues.

To remove all speaker notes from a PowerPoint presentation using the Inspector:

  • Open the PowerPoint presentation with the notes you want to delete.
  • Save a copy of the presentation so you can keep the original with the notes.
  • In the copy, click the File tab in the Ribbon.
  • Click Info and click Check for Issues. A drop-down menu appears.
  • Select Inspect Document. A dialog box appears.
  • Ensure that Presentation Notes is checked (you may need to scroll down in the dialog box). Check or select other options are needed.
  • Click Inspect. If there are speaker notes in the file, Remove All will appear to the right of notes. If you have selected other options, Remove All may appear to the right of other items.
  • Click Remove All beside Presentation Notes to remove all notes. Note that this cannot be undone.
  • Click Close.

Remove speaker notes by saving a presentation as a PDF

You can also save a presentation as a PDF (portable document format) file and remove notes. This method is available both for PowerPoint for Windows or Mac but the presentation will lose specific PowerPoint functionality (such as animations and transitions).

To save a PowerPoint presentation as a PDF and remove speaker notes:

  • Click the File tab in the Ribbon.
  • Click Print.
  • Ensure that Print All Slides and Full Page Slides are selected below Settings.
  • Click Save As.
  • Navigate to the location where you want to save the PDF file.
  • If necessary, click More Options.
  • From the Save As Type drop-down menu, select PDF.
  • Click Save.

Remove speaker notes using a macro in PowerPoint for Windows

Another option is to create and run a VBA (Visual Basic for Applications) macro to delete speaker notes. You can create macros in both the Windows and Mac versions of PowerPoint.

You'll need to insert VBA code first in the Visual Basic Editor and then run it in PowerPoint. You can indent code for readability by pressing tab at the beginning of a line of code. The indenting does not affect the code when you run it.

Be sure to run the macro in a copy of the presentation because you can't undo a macro.

For Windows users, you should display the Developer tab in the Ribbon if you want to create macros.

To display the Developer tab in PowerPoint for Windows:

  • Click Options. A dialog box appears.
  • Click Customize Ribbon in the categories on the left.
  • In the area on the right, check or select Developer.

A Developer tab will appear in the Ribbon.

To create a macro to delete speaker notes in PowerPoint for Windows:

  • Create a copy of the presentation with the notes you want to delete.
  • Open the copy of the presentation.
  • Click the Developer tab in the Ribbon.
  • Click Visual Basic. The Visual Basic Editor appears.
  • Click Insert in the menu and select Module. A module window will appear.
  • Copy and paste the following code into the module window (you can use Ctrl + C to copy and Ctrl + V to paste).

Copy the VBA code below into the Code window (from Sub to End Sub):

Sub DeleteNotes()

'this macro will run through each slide in a presentation and if there are notes, delete them

Dim objSlide As Slide 'declare slide as an object

For Each objSlide In ActivePresentation.Slides

With objSlide.NotesPage.Shapes(2)

Once you have copied the code into the Code window, exit the Visual Basic Editor by clicking the PowerPoint icon on the top left.

To run the macro in PowerPoint for Windows:

  • In PowerPoint, click the Developer tab.
  • Click Macros. A dialog box appears.
  • Click the macro and click Run or double-click the macro to run it and delete the speaker notes.

To create a macro to delete speaker notes in PowerPoint for Mac:

  • Click Tools in the menu.
  • Select Macro and then Visual Basic Editor. The Visual Basic Editor appears.
  • In the toolbar at the top, click Add Module. A module window will appear. Alternatively, right-click a workbook in the list on the left and select Insert and then Module.
  • Copy and paste the following code into the module window (you can use Command + C to copy and Command + V to paste).

Once you have copied the code into the Code window, close the Visual Basic Editor by clicking the PowerPoint icon or the red Close button on the top left.

To run the macro in PowerPoint for Mac:

  • In PowerPoint, click Tools in the menu.
  • Click Macro and select Macros. A dialog box appears.

Save PowerPoint files with macros

If you want to save a macro with the PowerPoint file, you will need to save it as a macro-enabled file type (in the Save as Type drop-down menu).

You can also save a separate PowerPoint presentation with the macro and then run it when needed. You can run macros from other open presentations so this strategy can work well.

If you open a PowerPoint file that contains a macro, you will typically need to enable content to run the macro.

Zoom: Screen Sharing Options with PowerPoint and Notes During a Meeting

There are several different ways to share your screen  when running a Zoom meeting with slides in PowerPoint or Keynote. This article covers the following topics:

  • Windows OS instructions
  • Mac OS instructions

Sharing your PowerPoint slides only without notes

If you want to share your PowerPoint while using the Presenter View with your notes but only show the slides, the following are steps you could take to do that:

Open your PowerPoint presentation. 

In Zoom, click on Share Screen .

Click on the Advanced Tab.

  • Select Portion of Screen (Allows you to share just a portion of your screen.  When you start sharing, it will display a color rectangle that you can click on and move around and re-size to share just the portion of the screen defined by that rectangle.)
  • Click on Share .

For Windows OS in PowerPoint

  • Click on the Slide Show tab 
  • This allows you to display the slides with the notes you prepared in the notes pane.
  • Click “Present from Begining under Slide Show” 
  • This way, only the slides will display to the students.

For Mac OS in PowerPoint

  • Click the Slide Show tab  
  • Click “Presenter View”  
  • If you have Dual Monitors, there is also an option to Swap Displays if needed.

Other Options

Resizable window in keynote.

Another option is to view the presentation in a resizable window (not full screen).

  • Make sure Keynote is updated
  • Choose Play>Play Slideshow in Window.

Share Individual Window in Powerpoint

  • Choose "Browsed by an individual (window)" and only share that window when you share your screen.  This will allow you to have your notes displayed in another document and only show the slides.

Sharing PowerPoint without Showing Notes On Mac

Being able to share PowerPoint presentations while keeping speaker notes private is critical for many presenters. When presenting via video conferencing tools like Zoom, you’ll likely want to share slides fullscreen with the audience while retaining the ability to view notes and slide thumbnails only visible to you.

Fortunately, with the right settings and configurations, Mac users can easily share PowerPoint slides in Zoom without displaying presenter notes or slide filmstrips to the audience. This article will cover several methods to accomplish this on a Mac.

Set Up Slide Show for Full Screen

The first step is to configure the slideshow settings in PowerPoint on your Mac. This ensures the slides display full screen for the audience when you share your screen.

To do this:

  • Open your PowerPoint presentation
  • On the Slide Show tab, click Set Up Slide Show
  • Under Show Type , choose Browsed by an individual (window)
  • Check the box for Show Without Animation

These settings will make your slides fill the display when presenting, without playing animations.

Share Screen in Zoom

Once your presentation is ready, start a Zoom meeting and share your screen.

On a Mac, you have two options to show slides full screen to the audience while retaining private notes:

Share Slide Show Window

  • Start the slide show in PowerPoint using Presenter View
  • In Zoom, click Share Screen and choose the PowerPoint Slide Show window
  • Adjust the size if needed to show slides fully
  • Audience will only see slides, not notes or filmstrip

Use Presenter View Preview

  • In PowerPoint, start Presenter View preview (Option+Click slide show)
  • In Zoom, click Advanced share options and choose to share a portion of the screen
  • Resize the shared portion to only show slides, not the notes or filmstrip

Both methods allow displaying full screen slides publicly while keeping notes and thumbnails private on your screen.

Tips for Using Presenter View in Zoom

Here are some additional tips for leveraging Presenter View effectively:

  • Make notes text larger – In Presenter View on your Mac, enlarge the notes text for easier reading. Adjust the divider between slides and notes.
  • Use Presenter View tools – Take advantage of laser pointers, highlighters, and other tools in Presenter View.
  • Toggle slide display – Quickly switch which display shows notes vs. slides using the “Swap Displays” option.
  • Give control to others – Allow meeting participants to control slide advancement from their device.

Additional Methods for Sharing Slides

If you want to share PowerPoint slides in other ways, here are some options:

  • Save slides as PDF handouts with notes hidden
  • Upload presentations to cloud services like OneDrive and share view-only links
  • Use third-party online presentation tools like SlideShare or Google Slides

The methods above offer more ways to selectively share slides while keeping notes and other content private.

Sharing PowerPoint slides in online meetings while retaining private notes takes just a few easy steps on a Mac. Configuring the slide show settings appropriately and choosing what to share in Zoom gives presenters flexibility. Share your presentation

Select Share on the ribbon.

Enter the names or email addresses of the people you want to share with.

Or select the drop-down to change permissions. Allow editing is checked by default. To change permission to view only, uncheck this box and select Apply .

Include a message if you'd like and select Send .

You can also select Get a link to create a link that you can copy into an email.

Co-author a presentation

After you share your file, you can work together at the same time.

Under Share , see who is also working in the file.

Comments in presentations

Select Review > New Comment . Or select New if the Comments pane is open.

In the Comments pane, type your message in the box and press Enter.

Select Reply and type your response.

Select the Next or Back buttons to go between comments and slides.

Select the X in the upper corner of the comment.

Add a comment

Chat while editing

If there's another person editing your file, select their image or initials in the upper right corner to open a chat window.

Type some text and press Enter.

Note:  Your conversations won't be saved when you close a file.

People and chat

Show changes

Open the original version of the presentation that you saved on your computer.

Select Review > Compare , and then Compare .

In the Choose File to Merge with Current Presentation box, find the version of your presentation that you saved to the shared location, select it, and then choose Merge .

If reviewers left comments in your presentation, you’ll see them under Slide Changes in the Revisions task pane.

In the Version history pane, select a version to open and view it in a separate window.

I don't think you can disallow the notes page view but you can easily kill all notes and send a copy without notes.

File > Check for issues will give an option to remove notes
