You’ve always been told that you shouldn’t write, “To Whom It May Concern,” on your cover letter . But what should you do when you don’t have the name of the hiring manager?

You can also call up the company directly to ask for the name. Simply call up the company and say, “Hi, my name is ____ and I’m applying for a position at your company. Would it be possible for me to get the name of the hiring manager so I can address him or her in my cover letter?”

If All Fails, Use 'Dear Hiring Team'

If the hiring manager’s name is nowhere to be found and the company is unwilling to give you his or her name, you should use “Dear Hiring Team” in your cover letter salutation. By addressing your cover letter to the hiring team, you increase your chances of getting it in front of the right pair of eyes.

  • What was the ultimate result?

A lot can be learned about your job search approach just by answering these questions and identifying patterns. For example:

Negative Trends

You discovered five jobs through job boards, applied to all of them via the job boards, and never heard back from any of them.

The common pattern here is applying through job boards. This isn't to say that job boards don't serve a purpose in the job search process, but they have their limitations , and you can't run your job search entirely off of them. When you apply through a job board, there's a good chance that your materials will never get past the applicant tracking system (ATS) and never be seen by an actual person.

One simple fix is to research who the hiring manager or recruiter is that posted the position and email your materials to them directly.

The more efficient fix would be to take a proactive approach by putting together a bucket list of companies that you want to work for and start making connections on LinkedIn with people who work at those companies. You may already know some people who work there or have connections that can refer you to some individuals.

This is a great way to network your way onto a company's radar.

Positive Trends

You applied to three jobs via referral, were invited to two job interviews, and made it through multiple rounds of interviews for one of the jobs before being passed over for someone with a little more experience.

The pattern here is that getting referred to a job by a professional acquaintance is a great way to land a job interview . This indicates that you're leveraging your network well and you should continue to focus on your networking efforts.

The next step is to review the interview process and determine what went well and what needs to be improved. Sometimes the interviewer will provide feedback , and that feedback can be valuable. However, not everyone is comfortable with giving feedback.

Use LinkedIn . Look for the company’s employees on LinkedIn. You might not be able to definitively determine the hiring manager from your research alone, but you might find somebody you can ask.

For example, an HR head or someone who works in the department you’re interested in.

Use an inside source. If you have a friend in the company, we’re surprised you’ve made it this long without reaching out to them!

How to Address a Cover Letter to Recruiter or Hiring Manager

Knowing how to effectively address a cover letter makes you a very visible and appealing candidate.

Did you know that the cardinal rule of cover letters is personalization? It impresses a hiring manager or recruiter because it tells them you took time to research the specific information for the letter rather than sending a generic version.

What many people forget, however, is that the greeting or salutation in a cover letter must also be personalized with the hiring professional's first and last name whenever possible.

There are several effective ways to find the hiring manager's name for your greeting — and some acceptable back-up strategies when you can't. Either way, knowing how to address a cover letter effectively can prevent you from ending your hiring chances before they even begin. 

When you know the hiring manager's name

More often than not, you'll be given the name of the hiring professional or the manager that you'll work for. Whoever it is, use their full name (first and last name) in the greeting. 

If you cannot definitively tell the gender of the hiring person, do not use a gender-based title such as “Mr.” or “Ms.” in the greeting. Instead just use the person's full name.

For example, Alex Johnson could be male or female. To avoid a gender mistake, use Dear Alex Johnson, Hello Alex Johnson, or simply Alex Johnson .

However, professional titles such as “Professor” or “Dr.” are definitely acceptable as a cover letter salutation and should be used as a sign of respect. Be on the lookout for these and other titles to include.

How to find a hiring manager's name for your cover letter

If you're not given the name of the hiring manager, here are some effective ways to discover their name by using:

The job description: Check this document for the hiring manager's name. While it's not generally listed, you never know. If it's not obvious, there's also a trick to quickly discover an email in the job description that might contain the name; while in the document, press Ctrl +F or run Command + F and search for the @ symbol.

An email address: If you discover an email address, it may not have a full name but rather a first initial and last name or just a first name like [email protected] or [email protected] . A Google search combining the person's name as shown in the email and the company name might find you the person's full name.

 A LinkedIn post: A name connected to the LinkedIn job posting is probably that of the hiring professional who posted it, so use that name in your greeting.

The supervisor's title: It's more likely that a job description will list who the new hire will report to — such as the director of accounting — without listing a name. In this case, there are several search options:

Search the company's website for listings of staff members by title.

Run an advanced LinkedIn or Google search for all directors of accounting at that specific company.

Check with your network for someone who might know the person's name or search the appropriate professional networking sites.

Contact the company by phone or email. Tell them you're applying for [job title] and want to address your cover letter to the right person.

In the end, this research can be the difference between making a great first impression and getting noticed for the position — or getting totally ignored by the hiring manager. 

Acceptable options in lieu of a name

If you try the steps above and come up empty, there are still some alternative greeting options that will put you in a professional light.

The idea is to show that you've read the job description and tailored your greeting based on the company department where the job is located, the hiring manager's title, or the team with which you'll potentially work.

If you still can't find any specific name or department information, go with “Dear Hiring Manager.” It sounds professional and it's not gender-specific. In fact, a recent survey of over 2000 companies by Saddleback College showed that 40 percent preferred “Dear Hiring Manager” as the best greeting when a manager's name can't be found. 

“Dear Sir or Madam” is another option that works because it's gender-neutral and respectful. However, it sounds a bit old-fashioned and may signal a hiring professional that you're an older worker or just not aware of other greeting options. It's perfectly acceptable, but the better choice is “Dear Hiring Manager.” 

In the end, an actual name or any of the alternative examples will let you stand out from the crowd, so do your best to find and use those whenever you can.

Never leave the greeting blank

Whatever information you may or may not find, it's important to never leave your greeting line blank.

A blank greeting line can make you come across as lazy or rude, or imply that you simply don't understand how to write a cover letter — all of which will immediately put you out of contention for the job. There's no reason to leave the greeting blank when there are so many options that can be used effectively.

When you spend the time and effort to personalize your cover letter, you don't want to come across as “just another candidate” by using a generic greeting or no greeting at all.

A personalized greeting will impress any hiring professional, increasing the chance they'll read your entire cover letter — and ask you for an interview.

Effective Cover Letters

A cover letter quickly summarizes 1) why you are applying to an organization or for a particular position, and 2) what skills and knowledge you bring that make you a strong candidate for that position. It’s an opportunity to create a narrative that emphasizes & demonstrates the skills you’ve used or are developing.

Cover letters are often viewed as a demonstration of your writing abilities, so make certain that it is free of spelling mistakes, grammar issues, and typos.

  • Tailor your cover letter to the specific organization & role. Generic form cover letters are easy to spot and can indicate a lack of interest.
  • Use a standard size font (11 to 12 point)
  • Use standard margins (1 to .65)
  • Stay on 1 page (for non-academic position applications).
  • Use the same header (with your name & contact information) as used on your resume.
  • If it’s unclear, you can say “Dear Name & Hiring Committee” or just “Dear Hiring Committee”.

Don’t:

  • Write more than 1 page
  • Write “My name is…”
  • Address it with “To Whom It May Concern”

Opening Paragraph: Briefly introduce why you are applying to this organization / for this role specifically. What about them or this opportunity specifically made you excited to apply? This shows that 1) this is not a generic form letter, and 2) you did a little extra research & are familiar with the organization & their work. It is also helpful to include an overall summary of the key skills, knowledge areas, or experiences that you are bring to this role right here in the first paragraph.

Middle paragraph(s): Use specific stories, examples, or anecdotes from your background to show the kinds of relevant and/or transferable skills the employer is seeking. It’s always more effective and persuasive if you can demonstrate skills in the context in which you’ve used them; how have your experiences from your resume honed these particular skills? Are there stories or examples that would show times you’ve used or developed specific skills?

Remember, they also have your resume, so your cover letter doesn’t need to include all your experiences. Try to avoid restating what’s already in your resume. Rather than saying, “ I can make a uniquely valuable contribution to your organization ,” give the employer enough relevant, targeted information to allow the reader to reach that conclusion independently.

Be specific and tell stories that have a touch of drama: “ When I was working as the president of X student group, one of the challenges that we faced was XYZ “. Then describe how you used your skills to overcome it: “ Building relationships with administrators on campus allowed us to create X event or enabled us to take on Y  initiative “. You can also reflect on how this is relevant for the reader: “ I really enjoyed being placed in a position where I had to reach out to contact and bring them all together by creating a shared vision for everyone to buy into. I would be excited to bring this combination of strong marketing skills and relationship building to the role of Advertising Associate “.

Closing Paragraph: Explain why the position and the particular organization is attractive to you. Provide an authentic reason why you are exited about bring your skills to the role. Speaking with former or current employees at the organization as part of your networking can also help in this regards. You can end by thanking them for their consideration or stating that you look forward to hearing from them.

Elements of a Strong Cover Letter

  • Tailor your cover letter. Employers can tell when they receive a generic cover letter. The fastest way to stand out is to be specific to them and to you. What skills or qualifications are they looking for? What related or transferable skills & experiences could you highlight from your background?
  • Show the reader your skills in context. Avoid simply listing your skills (i.e. “I have strong skills in communication, collaboration, and teamwork.”) or stating your qualifications (i.e. “I am an innovative thinker.”) Instead, demonstrate that you are those things by talking about accomplishments and experiences that show it. Can you use a brief story or example that would show times you’ve used or developed those skills?
  • Go beyond restating your resume. It’s better to go in depth on two or three experiences than just restating what’s already on your resume. How have your experiences from your resume honed skills that are related to what you’re applying for?
  • Focus on why you’re a strong candidate. Don’t exclusively focus on why this opportunity would be a good fit for your development or career. Instead, take some of the space where you’re talking about your interest and focus it on your aptitude. How do some of your experiences demonstrate the kind of skills they’re looking for?
  • Strike the right tone. Avoid saying “I’m the perfect candidate” or “I’m the best person for this role” or words like unparalleled/overjoyed – it can easily come across too strong or even as arrogant. It’s also good to avoid the word ‘passion/passionate’, which can easily be overused and come across as disingenuous in cover letters. Instead, show that you’re a strong candidate, or excellent candidate, or that you’d be excited to bring (or further hone) your skills & experience to this opportunity.

Questions to Ask Yourself

Ask yourself 2 questions:

  • This may require you to do some background research on the employer’s website, or else talk to someone you know (or don’t yet know) who already works there. Briefly explain why you want to work at that particular organization and/or doing that particular job.
  • This is the majority of a cover letter. Go through the job/internship description and pay attention to any requirements and skills the employer is looking for. Pick out a couple of the most important skills that the employer is looking for. You want your cover letter to illustrate that you have these skills and show examples of when you’ve used them effectively (whether that was through academics, extracurriculars, jobs, internships, etc.). For many jobs/internships, you may want to focus on transferable skills or skills that you used in a different context to the one you’re applying for.

Step 1: Add Your Contact Information

  • Use the same heading as on your resume with your name and personal information below it. You can copy and paste the contact information portion of your resume into a new Word document and start from there.

Step 2: Add the Date, Employer Contact Information, & Greeting

  • Underneath your contact information, add the full date, the employer’s contact name and address, and your greeting
  • Examples : Dear Lorraine Jimenez,  Dear Dr. Phillips, Dear Hiring Manager, Dear Hiring Committee

Step 3: The Intro Paragraph

The opening sentence should be an enthusiastic reference to your interest in the position. Talk about what led to your discovery of the position and your unique interest in the role. If someone referred you to the position, mention them by name in the first paragraph.

For a more personal or creative letter, you can add in a very brief (2-3 sentences) anecdote or explanation of why you’re interested in this particular employer or job or feel connected to their values. Regardless of how you organize it, your introductory paragraph should include these four things:

  • The specific position title
  • The organization name
  • Why you’re interested
  • Why you’d be a good fit

Step 4: Body Paragraph(s)

Cover letters typically include 1-2 body paragraphs that show employers examples of your previous experience or times when you’ve put your relevant skills to use. These examples should be specific, detailing actions you took, things you learned, and the impact of your work whenever possible.

Everyone’s writing style is unique, but each body paragraph generally includes:

  • An opening sentence that introduces what experience, skill, or qualification you’ll be explaining in this paragraph.
  • Clear example(s) of what you’ve done or accomplished–be specific! Show, don’t tell.
  • A sentence that connects what you’ve done with what you can contribute if hired.

Step 5: Closing Paragraph

Your closing paragraph will be shorter than your body paragraphs. It should be a concise wrap-up to your letter that…

  • Optional : You can include one more additional fact or expression of unique connection to the role or employer that you haven’t mentioned in the body paragraphs
  • Thanks them for their time and consideration of your application

That’s all there is to it! The process may seem overwhelming at first, but if you write to a specific job description and explain your skills and experience with detail, you’ll be off to a great start.

Writing A Cover Letter: How to Engage a Hiring Committee

Cover letters are NOT your resume in paragraph form. Lean on your experiences, include helpful insights into some of the bullet points on your resume, but focus on why you are prepared for the job you have applied for and what you will accomplish in the role if selected.

Some job listings request an “optional” cover letter or additional documents. I have always thought of “optional” as you absolutely need to. Optional practice? You go. Optional office hours with your professor? You go.

I am biased as a former History and English major, but strong writing skills are a lost art. Submitting a quality cover letter is another chance to go above and beyond and to demonstrate a deeper understanding of your fit for the role. It allows you to expand on your resume and connect with your audience. Do not miss the opportunity!

Below you will find guidelines for the structure and content of a quality cover letter.

Structure: Simple Setup

  • Introduction
  • One page, single spaced, size 12 font: short and sweet.

Structure: In-Depth Breakdown

  • Address the hiring manager/team. Avoid “whom it may concern”. Do the research to find a name. List the head of the department as a last resort. This attention to detail is important and even if the president or CEO is not on the hiring committee, they are definitely aware of the open position and are involved in the final decision in one way or another.
  • I have always been drawn to _____industry name_______ and my degree in ___________ and experience(s) at/with ___________ have prepared me for ___________ because __________.
  • Example 1: “I was excited to discover the role of __________ at __________ as I am seeking professional growth in budget and team management. I am an experienced _________ professional and look forward to the opportunity to connect with your team.”
  • Example 2: “As an ambitious ____higher education professional________, the _____company__ name________ piqued my interest. After reading about the __________ role, I saw a mission and set of responsibilities that align with my future career goals.”

A salutation is the greeting at the beginning of a cover letter that is included with a resume when applying for a job. When you're  writing a cover letter  or sending an  email message  to apply for a job, it's important to include an appropriate greeting at the beginning to set the tone for your letter, which should be professional and appropriate.

The greeting is the first thing the recipient will see  when they read your cover letter . Therefore, it's important for you to convey the appropriate level of familiarity and respect.

Using casual greetings, such as “Hello” and “Hi” can make your letter seem unprofessional. Reserve these casual greetings for personal email and refrain from using them in your cover letter unless you are very familiar with the recipient. Such greetings are simply too informal—not the most professional way to begin the conversation if you’re looking to land a job.

“Hi” is appropriate only in casual email correspondence with people you personally know well. For example, if you're checking in with a close friend to find out if they've heard of a job opening at their company. "Hello" is appropriate only in email correspondence. It should be used primarily for people you know well but can be used in very casual circumstances.

Beginning your correspondence “To Whom It May Concern,” on the other hand, may seem too impersonal and make the hiring manager believe you do not care enough to find out whom you should be addressing. The only time to use " To Whom It May Concern " as a cover letter greeting is when you simply cannot find out the specific person to whom you are writing.

You should, of course, make every effort to find the name of a contact in the specific department in which you are interested. When making an inquiry  with a company for unadvertised openings, this greeting may be most appropriate.

The following is a list of letter salutation examples that are appropriate for cover letters and other employment-related correspondence when you have the name of a contact.

  • Dear Mr. Jones
  • Dear Ms. Brown
  • Dear Riley Doe
  • Dear Dr. Haven
  • Dear Professor Lawrence

When You Don't Have a Contact Person

If this information was not provided in the job announcement and you cannot find it on the company’s web site, then you may be able to call the company, ask to be forwarded to their Human Resources department (if they have one), explain that you will be applying for a job there, and ask for the name of their hiring manager.

Always make every effort to find a contact name to use in your letter. It leaves a good impression on the hiring manager if you have taken the time to use their name, especially if you needed to work a little to find it.

LinkedIn is also a great tool to find out the name of the hiring manager. You can do a search for the company you are applying to with one or two keywords that would describe the person hiring for the position. Scroll down the list until you find the person who fits the criteria. This approach may help you pinpoint the appropriate contact person.

Many companies don't list a contact person when they post jobs, because they have a team of hiring staff who sort through cover letters and resumes before passing them to the hiring manager for the appropriate department. They prefer to leave the hiring manager anonymous until he or she contacts you for an interview.

An organization may also not want to disclose who the hiring manager is to avoid emails and phone calls from applicants, particularly if they anticipate receiving a large number of applications from potential job candidates. So, don't worry if you can't find someone to address your letter to. It will be forwarded to the correct department and recipient.

If you don't have a contact person at the company, either leave off the salutation from your cover letter and start with the first paragraph  of your letter or, better yet, use a general salutation.

When using a general salutation, capitalize the nouns.

  • Dear Hiring Manager
  • To Whom It May Concern
  • Dear Human Resources Manager
  • Dear Sir or Madam
  • Dear [Company Name] Recruiter

When to Use 'Dear' in a Cover Letter

It is appropriate to use “Dear” in most circumstances, such as when the potential employer is someone you know well, or they are a business acquaintance. Follow these tips on choosing the right greeting:

  • For people who you know well on a first-name basis, it's okay to use their first name only. For a business acquaintance or associate, use their first name if you met them more than once and addressed them by their first name.
  • For potential employers, use Mr., Ms. or Dr., unless you have been instructed otherwise. Even if you know a woman is married, it is safer to use “Ms.” as opposed to “Mrs.,” as the latter may be offensive in certain circumstances.
  • If you are unsure of the appropriate greeting, play it safe and use Mr./Ms./Dr. [last name] or Mr./Ms./Dr. [first name, last name].

How to Write a Cover Letter Salutation

Standard business correspondence formatting requires that, after providing your own contact information and the date of your letter, you then write down your contact person’s name, the company’s name, and the company’s address.

The formal salutation/greeting comes next: “Dear [Contact Person’s name].” If you have a contact person for your letter, include their personal title and name in the salutation (i.e. "Dear Mr. Franklin"). If you are unsure of the reader's gender, simply state their full name and avoid the personal title (i.e. "Dear Jamie Smith"). Follow the salutation with a colon or comma, leave one line blank, and then start the first paragraph of your letter on the following line.

Your letter greeting has the potential to improve your chances of getting an interview. To enhance your candidacy, make sure your  cover letter  maintains a professional appearance and offers relevant information, including your qualifications for the position. Choose the appropriate closing and always thank the reader for their time and consideration.

A cover letter is a one-page document you submit with your resume and application. The purpose of your cover letter is to provide a brief introduction of yourself and summarize your professional experience. It is also your opportunity to answer the question, “Why should I hire you?” Your cover letter gives you the chance to speak directly on how your experience, skills, and accomplishments align with the position you are pursuing. Be sure to tie your experience directly to the job description. Your cover letter allows you to expand on your experience and demonstrate how you are a fit for the position and organization.

  • Your cover letter should be a professional, one-page document using proper grammar with no spelling or punctuation errors.

  • Avoid using “To Whom It May Concern” when addressing your letter. Find a recruiter or manager to address the letter so that it is more personalized. If you cannot find a name, it is acceptable to use “Dear Hiring Manager” or “Dear Hiring Committee” for example.
  • Your cover letter should be no longer than 1 page consisting of 3-4 paragraphs. This includes an introduction identifying the position and organization you are applying for, 1-2 body paragraphs highlighting your qualifications as it relates to the position, and a closing paragraph restating interest and thanking them.
  • Do not use your cover letter to repeat or copy what is already on your resume. Instead, highlight impact, achievements, and quantifiable actions.

You can mail your cover letter and resume to multiple managers at an organization if you are not aware of the concerned person’s name. This trick helps your resume reach the right person. You should mention the names of all the recipients if you have been able to find information regarding their names and designations so that everyone knows who has got the copy of your letter.

The general format of this cover letter is the same as the regular one written for one recipient, except for the names of multiple recipients. Don’t forget to mention the position you’re applying for, where you heard about it, and why you think you are eligible for it.

How to identify the key players?

If the job advertisement doesn’t specify the names of the hiring managers, you can use multiple resources to identify the recipients’ names. For instance, you can call the organization to ask for the names of hiring managers. If you still don’t get the names, check professional networking sites like LinkedIn and look for hiring resources in the respective company. You may also get this information from the company’s official website. If you know someone who works there, he can also provide you with the required information.

How to include additional recipients?

You need to give your signature at the end of the letter. Providing two spaces beneath your signature, write “cc:” and mention the names and designations of other letter recipients. Skip writing “To whom it may concern” in cover letters. It has become old school now. People usually mention this when they don’t get enough information from the hiring managers. Cover Letter Tips (PDF Version) Formatting Tips

  • Length : A cover letter is typically 3-4 paragraphs, not exceeding one page.  
  • Format : Use the same heading, font style and size, and type of paper as your résumé.  
  • Salutation : Address your cover letter to a specific person if possible. Call for the name of the hiring manager if not listed; never use “To Whom It May Concern.” If a name is unavailable, use a title (e.g., Dear Dear Hiring Personnel, Dear Human Resources, or Dear Selection Committee).
