Business cards are still valuable for professional networking. Here's how you can make one on Microsoft PowerPoint.
Business cards might seem old-fashioned, but they're still effective for professionals building their network. A well-designed business card leaves a positive and lasting impression on your potential partners and clients.
Thankfully, you don't have to be a graphic design expert or use complex tools like Adobe Photoshop or InDesign to design a card—all you need is Microsoft PowerPoint. With that and our guide, you can create a unique and remarkable business card.
So, follow this step-by-step tutorial, and start creating your business card today.
Understanding the Basics of Business Card Design
To create a professional-looking business card, it's essential to understand these three design elements:
- The trim border. It's the exact size of your finished business card. In this case, that is 3.5" x 2", the standard card size in the US. This size is 85mm x 55mm for the UK and most of Europe. After printing, the card will be trimmed down to this size, and any content beyond this border will be removed.
- The bleed border. It's the area around the trim border that will be removed. The background design of your card should extend to this area so that if the printer doesn't cut precisely around the trim border, there's no white space around your finished card.
- The safe zone. It's the area that holds your personal and business information. This region ensures that these details are not too close to the trim border and will not be removed in the final card cut-out.
With this understanding, let's dive into creating a business card in nine easy steps.
1. Create a Blank Document in Microsoft PowerPoint
Open PowerPoint on your computer and select Blank Presentation .
To start creating the card, you should have a completely blank canvas. So from the Home tab, click Layout and select Blank from the drop-down options.
2. Set the Slide Size for a Business CardUnder the Design tab, click Slide Size and select Custom Slide Size .
Set the Width of the slide to 3.75 inches and the Height to 2.25 inches. When you're done, click OK .
You can select Maximize or Ensure Fit in the dialog box that pops up ; both will work fine in this case.
3. Add the Bleed, Trim, and Safe Borders
You can use rectangles to add the bleed, trim, and safe borders. To add the bleed border, navigate to the Insert tab. Click on Shapes , and select a rectangle.
When you draw the rectangle, the Shape Format tab opens up. Set the rectangle's Height to 2.25 inches and Width to 3.75 inches.
Click Align , then select Align Center and Align Middle .
Ensure the rectangle is selected, click on Shape Fill , and set it to No Fill .
With the rectangle still selected, click on Shape Outline and set it to Red .
Use the same process for adding the bleed border to add the trim and safe borders using the following dimensions respectively: 3.5" x 2" and 3.25" x 1.75".
4. Add Images
Now that the slide is set up, you can add images (e.g., background image, logo, and profile photo) to the card. So, if you want to add an image, navigate to the Insert tab. Click on Pictures and select This Device if the image is saved on your computer.
After adding the image, resize and position it as you see fit inside the safe zone.
Note: For this design, we are sticking with a white background. If you want to add a background image or gradient to your card, extend it beyond the safe zone to the bleed border.
5. Add Shapes
Shapes are design elements you can use to elevate your design. You can also edit the points of any shape to create custom ones — let's look at an example.
After adding a rectangle to the slide, right-click on it and select Send to Back to place it behind all the elements.
Right-click on the rectangle again, and select Edit Points . Move the point on the bottom left of the rectangle to the right or left to create a new shape.
Click on the new custom shape, and hit Ctrl+D on your keyboard to duplicate the shape. Right-click on the duplicated shape and select Send to Back .
With the duplicated shape selected, click on Shape Fill under the Shape Format tab. If you want to give it a color from your logo design (or any other image you have on the slide), select the Eyedropper tool, and click on the color you want to select. Now position the duplicate shape to suit your preference.
6. Add Text
It's time to add your personal and business details to the business card. To add text, navigate to the Insert tab. Click Shapes , select Text box , and type the text you want to display.
Some of the most common details you would want to add to your business card include:
- Name and title
- Social media handles
- Phone number, Email, etc.
- Company name, address, website, etc.
You can create really cool effects with your design by rotating the text and images you've added, but remember not to overdo it.
All text containing important information should be placed inside the safe zone to avoid being close to the trim border and avoid being cut out in the finished printout.
7. Add Icons
Icons help to highlight the details you have on your business card and add to its overall aesthetic. To add an icon, navigate to the Insert tab and click Icons . From the library that opens up, select the icons you want to add and click Insert .
When the icons are added to the slide, the Graphics Format tab opens up. Under this tab, you can resize, re-color, and position your icons to suit your taste.
You can elevate your design by adding a drop shadow to the graphics you've used, which include icons, shapes, images, and text.
8. Clean Up and Save for Printing
When you're done designing your card, remove the safe, trim, and bleed rectangles to clean up the design. From here, you can save it for printing. The PDF file format is best in this case. To save the design as a PDF file, navigate to the File tab.
Click the Save As option. Enter a name for your design and select PDF from the drop-down list. Click Browse to pick a folder location on your computer to save the file. When you're done, click Save .
9. Design the Back of Your Card
Now that you've designed the front of your business card, you can go through the same process to design the back of the card. This should be much easier since only a few elements go here.
With your card's front and back designs saved in PDF, you can send them to your local print house for hard copies to hand out at future networking events.

In this article, we will show you how to create a business card in PowerPoint in 6 steps.
Step 1: Set up a slide for the business card. Prepare the card background
Open the PowerPoint app on your computer. Click New and then select Blank Presentation.
Ideally, you should delete all elements on the slide. The latter should be empty.
Now, you have to come to terms with the typical size of a business card— 3.5 × 2.0.
If you plan to use any elements or colors that may extend out to the edge of your business card, you will do well to use slighter larger dimensions ( 3.75 × 2.25 ). And we plan to use the latter in our sample.
It is important that you get the dimensions for your card right now to avoid problems. If you later have to make corrections to a card’s dimensions, you might lose some quality from resizing.
This is how you specify the slide size for your business card:
- Click the Design tab.
- From the options on the right corner, click Slide Size .
- Click Custom Slide Size .
- On the Slide Size window, specify your preferred dimensions for the business card.
PowerPoint may bring up a dialog to ask whether you want to Maximize the slide or Ensure Fit . Either of these options should work fine given what you are looking to do.
Step 2: Create a box for the card. Specify your preferred dimensions
To create a box for a business card in PowerPoint, you have to start with a shape:
- Click the Insert tab. Click Shapes and then select a rectangular shape.
A shape should appear on your slide. If it does not appear, you have to draw the shape.
- Click the box to get it highlighted. Go to the parameters screen on the right pane ( Height and Width ).
- Set the figures in the box to 2.25 inches and 3.75 inches for Height and Width . Or you can use your preferred parameters.
- Click Align and then click Align Center .
We recommend you use the No Fill setting for the shape or you can set white as its background color.
However, if you prefer to use a gradient setting, this is how you do it:
- Click the box (to get it highlighted) and then click Format Shape .
- Set the Fill to Gradient Fill and Type to Linear .
- Set the Direction to Linear Up.
To perfect the gradient stops, you may want to adjust the slider until you stumble on the setting that feels right. Or you may as well remove the slider by clicking on it and then using the options on the right. You can select a new color for the gradient by clicking its slider and then selecting your preferred color.
Step 3: Format the box. Add safety elements
PowerPoint lacks automatic margin functions, so you have to define your preferred margin parameters. In any case, we strongly recommend that you use dimensions that allow you to keep all relevant content a few inches (say 0.25) from the cut line. That extra bit of space ensures that nothing important gets cut when you head to print your card.
This is how you make a cut line:
- Insert a new box into your slide (like you did earlier).
- Set the Align position for the new box to Center .
- Set the box’s Fill to None .
- Select Red as the color for the box line .
This is how you make a safety line:
- Set the Align position for this new box to Center .
- This time, select Green as the color for the box line .
You may see (or you can imagine that) the background elements go beyond the cut line (and this is normal or expected). If you print the card right now, then those elements will bleed to the edge of the card.
Meanwhile, you have to ensure that all relevant details stay within the safety line (green line).
Step 4: Add images. Customize your card
It is time you added images to your card.
Click the Insert tab and then click Pictures .
- If the picture you want to use on your business card is stored locally on your computer, click This Device .
- If you plan to use an image from the web, click Online Picture .
Drag the image to an appropriate location and resize it if necessary. Depending on your plans for the business card, you may want to add another image.
Step 5: Add some text. Fill in personal information
- Click the Insert tab.
- Click Text Box .
- Click any spot outside the design area to add a new text box.
- Type in some text for your business card.
Since you are designing a business card that will be printed on a relatively small material, you will do well to use fonts that are easy to read. A font size between 7pt to 12pt should be appropriate.
These are the most common details found on business cards:
- A company’s name
- A company’s address
- Phone number, email, or similar contact details.
Add as many text boxes as necessary but avoid clutter.
Step 6: Clean things up. Save the presentation
At this point, you have to remove the margin lines or boxes (delete both the cut and safety lines).
Save the presentation.
You may want to save the presentation as a PDF. The PDF format is great for printing.
- Go through File > Save as and then select PDF as your preferred format.

How to design a business card using PowerPoint
Designing a business card with PowerPoint might not be the most conventional method but some people may find it easier than Microsoft Word. While Word handles typed documents and letters, PowerPoint is a design program used most often for graphs and presentations. So why not apply the same concepts to designing your own business card?
Creating your own marketing products can be very rewarding and give you a sense of control over your company brand. By following this simple guide, you will be on your way to using PowerPoint for your very own business card.
Today I will be creating a Fiat Business Card using PowerPoint 2013. A few things to keep in mind before we begin:
- PowerPoint only does RGB. Check with your printer to make sure they accept RGB files or will convert your files into CMYK for you. At Printit4Less we convert any RGB file into CMYK without any extra fees.
- PDF is the best format to save in. If you have to export to JPEG see the instructions at the end of the tutorial.
PowerPoint is a great program but it’s mostly used for displaying images on a monitor and not for print. This doesn’t mean that you can’t use it but just be aware of the limitations and know that you will have to find a printer willing to work with you.
Step 1: Open PowerPoint
Step 2: set up document.
The typical size of a business card is 3.5×2 . If you have any graphics or colors that bleed to the edge, then you will need to make your document size 3.75×2.25 . You always want to create your business card designs in the correct size so that there isn’t any loss in quality from resizing.
Slide Size:
- Go to the DESIGN tab and click on Slide Size at the far right.
- Put in the size of your business card in the WIDTH and HEIGHT boxes.
Step 3: Make a Box with Gradient
Start with a Shape:
- Go to the INSERT tab and click on Shapes . Choose a rectangle and click inside your document. A box will appear.
- With the box still selected, look at the far right and you will see HEIGHT and WIDTH . Set this box to 3.75×1.3 (or however tall you want it). You can always adjust the height later by selected the box and using the resize controls.
- Using the ALIGN option just left of the WIDTH and HEIGHT , center your box by choosing Align Center and Align Top
The Gradient:
Select the box and right click – choose Format Shape .
- Fill: Gradient Fill
- Preset Gradients: I chose a light linear gradient from the options.
- Type: Linear
- Direction: Linear Up
Gradient Stops : You can play with the sliders until you get something you like. You can even click on a slider and remove it using the options to the right. To change the color of the gradient, click on a slider then click on the Color button directly underneath.
Step 4: Add a solid box
This will be where the contact information sits.
- Insert another SHAPE just like before.
- Set the Width to 3.75inches . The height can be anything you like.
- Using the ALIGN option just left of the WIDTH and HEIGHT, center your box by choosing Align Center and Align Bottom.
- Right click – Format Shape . Select your fill options. I chose dark green.
- To remove the outline, click the LINE arrow and options will show. Choose No Line .
Step 5: Add an accent line
- Go to SHAPE – Lines – choose a design
- Right click – Format Shape
- Under Size: set the Width to 3.75inches .
- Click the paint bucket again. I set the width here to 1.5. This makes your line thicker.
Step 6 : Margins
PowerPoint doesn’t have any margin or guide options so we will have to create our own. It is very important that we keep all important information at least .25inches away from the cut line. This ensures that nothing gets chopped when the printer goes to cut the cards.
To create a safety guide, so that we know where our boundaries are, I’m going to make a red box that will represent the cut line and a bright green box that will act as a safety margin.
- Insert another box just like before. Set this box to 3.5×2 .
- ALIGN it to the center
- Set the FILL to none.
- Make the LINE red.
Now you can see that our background extends past our cut line. This means that our background image will bleed to the edge of the card.
Safety Line:
- Insert another box just like before. Set this box to 3.25×1.75 .
- Make the LINE green.
Make sure all information stays inside the green line.
Step 7: Insert Images
- Go to INSERT – Pictures and search for the image you want to use on your desktop.
- Drag the image anywhere you want to inside the green safety line.
Step 8: Insert Text
- Go to the INSERT tab
- Click on Text Box .
- Click outside of design area to place a text box in the document.
- Type in your text.
- Select the text and a Font Style box will pop up to where you can customize your text.
- Drag the text box to where you want it.
When you’re formatting your text, it is recommended that you use fonts that are easy to read and keep the size of the fonts between 7pt-12pt
What information goes on a business card?
- Your full name and title
- Company Name
- Contact numbers, email, and web address
You’re welcome to put anything else you need, like slogans and advertisements lines.
Step 9: Remove the margin boxes
Now that you have finished placing all of your company information, we can remove our guide boxes.
Simply click on the red box and hit delete on your keyboard. Then do the same for the green.
Step 10: Saving your file for print
Save as PDF:
- Go to FILE – Save As or Save as Adobe PDF . If you don’t see the option there, check under Export .
- Save the PDF
Only do this if you are unable to do PDF and if your printer will not accept PowerPoint files
How to save a PowerPoint slide as a high quality JPEG:
This is done using PowerPoint 2013 so this may vary from version to version. Essentially, we have to trick PowerPoint into giving us a high quality image. If we were to simply save as JPEG right now, the image quality wouldn’t be worth printing.
In order to fix that:
- Go to the DESIGN tab and change the Slide Size to 3000px x 1800px
- Say Maximize
- Your design should have stayed in place but just look over everything to make sure nothing moved off the artboard.
- Go to File – Save As – JPEG
- Look for Tools – Save Options – go to Advance tab – find the Image Quality . Make sure the box is checked for no down sampling of images and that the export option is 220ppi. This is how I got the best result.
- Save the file
This is not a typical solution for getting a high resolution graphic. You never want to make an image larger just to reduce the image size, even if you’re keeping the same proportions. But PowerPoint 2013 handles JPEG files a little differently. So by making our slide larger, we’re telling the program that we need more points per inch (basically image quality) and so when we export we’re not losing too much quality.
Now you have a file that is larger than a business card but your printer should be able to resample it for you.
In the end, I still believe PowerPoint wins over Paint and it is still much easier to design in than Microsoft Word.
