Mastering the Clock: 9 Time Management Tips for your Presentations

Guests and fish may stink after 3 days, but presentations start to stink already when they go over by more than 1 minute. If you want to be an impactful speaker and leave your audience wanting to hear more from you, you must make them feel appreciated. The most fundamental form of this is respecting the time frame they are expecting. These 9 time management tips will help you be a better speaker.

1. Know your time limit

This may seem obvious, but you need to know how much time you have and the absolute hard limit in case something goes wrong. Don’t accept the “around X minutes” as an answer. You need to work and plan your presentation to an exact period of time.

On the day of the presentation, please make sure to confirm with the organizer in case there are some schedule changes. If there was, you should also inform your audience of such changes. Be respectful.

2. Practice with a timer or Virtual Orator time limit setting on

Managing the presentation time is as vital as any other part of rehearsals. You need to practice it as well.

You can use a timer, a clock, or, of course, Virtual Orator. We have a couple of features that are of great help in your training.

3. Take time to prepare your message

Prepare your message carefully and as clearly as you can, and stick to it. Most of the audience will be sitting there looking at you blankly. This scares many speakers, and they start to improvise. They tend to rearrange the speech in the heat of the moment, leading to extra time spent.

Avoid this mistake by taking the time to prepare a great message. Just go to the presentation with the certainty that you have a good message. Then, deliver it in the best way possible. Keep it concise and organized.

4. Schedule ahead

When preparing a speech, you must prepare for everything, even failure. After preparing your message, divide it into introduction, 3 ideas (avoid more than 3), Q&A, and conclusion. Decide how much time you intend to spare with each of them, which helps you keep track of time.

It is tough to know if 30 minutes have passed, but you can have a more accurate idea of if 3 or 5 minutes have passed. By breaking your presentation into these parts you can maintain a feel for your timing.

Virtual Orator keeps track of how much time you spent on each slide, while you practice. This is a good way to have an idea on how much time has passed when you reach slide number X and were you can skip if you are going long.

5. Plan to cut!

Having an impeccable schedule of what you will say and for how long is amazing work, but things happen. There are interruptions or sudden interest in specific information or lots of questions. So many things can happen, and they are all normal, respectable, and not to fear – IF you have a plan in advance on what you can cut.

It is essential to listen to the audience and know what they want to hear, but you know there are essential points that can’t be left out. So plan ahead what’s vital, what can be cut in case of need, and how to do it smoothly (no one needs to know). If you have enough time, you can prepare different versions, but be sure to rehearse them all.

Again, don’t try to rearrange your speech or improve your message at the heat of the moment. Prepare, rehearse and make as many versions of your speech as you need to go on that stage confident and ready for everything.

6. Provide a detailed hand out

No matter how good you are, your audience will not memorize more than 3 or 4 main ideas. So you must focus on what’s more important and forget the details. Yet, this doesn’t mean that your audience can’t have them.

Think of your job as a speaker as a way to ignite that spark of curiosity in them. Prepare a detailed pdf or share a QR code that links to all the information somewhere online. All details, graphics and stats – everything you’d like to say to them, you can put into the hand out. Give it to them so they can read and study at their own speed in the comfort of their homes or office.

This way, you can focus on what it’s crucial and still give them all information. Trying to “say everything” is one of the main reasons speakers can’t keep up with the time.

8. Track your time

This is a tricky one. Looking at your watch constantly may give a bad impression, but you need to have an idea of how much time you have left. Some rooms have large clocks on the wall, making it easier to look without being noticed, but this is not always the case.

If you’re in this situation, try to lay the watch on the table or lectern. If you take this choice, rehearse this way. You can also flip the clock to the inside of your wrist, and with enough practice, you can peek at it more discretely than usual.

9. Meet them!

Meeting your audience and giving them time to talk to you and ask questions is good to help you keep the actual presentation on track.

So, are there a lot of questions? That’s great. It shows they felt your presentation was interesting and want to know more. Let them know the time is over, and make yourself available to talk after the event. It can be in person, or you can give them an email or even a phone number, if you’re comfortable with it. Make yourself approachable and make them feel comfortable to come to you.

The time is YOUR problem, not theirs.

Your audience signs up for a specific time, and you must respect it. The speaker’s job is to prepare and anticipate any issue that could disrupt the presentation and make them lose track of time.

Follow these tips to help you in this challenging task, and avoid mentioning time to your audience. You want them to be delighted with your presentation, not to be thinking about if it will be too long.

24-Hour Format Converter

The 24-Hour Format Converter is used to effortlessly convert a 12-hour time format that is commonly by the world, to a 24-hour format. In a 12-hour clock, every single day, the time starts at midnight at 12:00 AM and ends at 12:00 AM. On the other hand, using a 24-hour clock, a day starts at 00:00 and ends at 24:00.

How to Use the 24-Hour Format Converter

First, check on the ⚙️ Display Settings to know your options. You'll have the choice to include or exclude hours, minutes, seconds and/or milliseconds in your calculation. Take your time checking this feature.

Then, on the main fields, you can see the defaults - hours, minutes and meridiem. Enter your time 12-hour time format on the respective fields marked by labels. Make sure to choose the correct meridiem, is it AM or PM? Choose the exact time. Let's say you want to convert 4:30PM to 24-hour format. Enter 24 on hours, 30 on minutes and PM on meridiem, but it's already a default so let's move forward.

Finally, click on the Calculate button to process your conversion. The output will be displayed just below the ✍ Result heading. If you want to clear the fields, you can do that by clicking on the Reset button.

The Difference Between 12-Hour and 24-Hour Time Format

The most common time format is a 12-hour format. It is where the 24 hours of the day is divided by two periods, in the morning and afternoon/evening. The maximum hour of each period is set to 12, either at midnight or at noon.

The start time of every day is at 12:00 midnight. The proper way to write that is 12:00 am . The am is an abbreviation of Ante Meridiem , a Latin phrase which means before midday or before noon .

In a 12-hour time format, the am is used in morning time and up just before midday. In other words, 12:00 am (midnight) up to 11:59 am (almost midday), we associate the end of hh:mm with am .

Then, the proper way to write 12:00 noon is 12:00 pm . The pm after the hh:mm is an abbreviation as well of a Latin phase but this time it means "after midday" or "after noon". So, the duration of pm is from 12:00 pm (noon) up to 11:59pm (a minute before exact midnight).

So, to write whole day, or a 24 hours duration using a 12 hours format would be 12:00 am up to 11:59 am. It can also be written as 12:00 am to 12:00 am. However, the former one is commonly used to lessen ambiguity.

The usage of 12-hour time format is very dominant in most countries in the world. You can see it on your school schedules, event posters, business hours and almost all watches and clocks use this format.

That's a wrap on the 12-hour format. Let's move forward with the 24-hour time format.

Every single day, the start of the day for a 24-hour time format is 00:00 at midnight and ends at 24:00 on the same day. Notice that on this format, the am and pm after the time is not being used. Also, the count-off time does not reset at 12:00 noon, it continues to count until it reaches 24:00 at midnight on the same day.

Notice that we can say that an entire day starts at 00:00 up to 24:00 on the same day. This is also a proper usage because while 24:00 marks the end of that day, it is exactly the same as 00:00 of the next day.

So, to say that 24:00 as the end of today, that time is equal to 00:00 of the next day. These works just like your clock where when it ticks from 11:59pm and the clock hand moves to 12:00am, you know that that's the end of yesterday and a start of a new time today.

The 24-hour time format is used very heavily on formal or professional settings. This stands true in the context trading because charts are timed on this format.

The case is also true in gaming where a day session starts at 00:00 server time up to 23:59. Even in the practice of medicine, biology and other forms of science, the 24-hour time format deemed to be helpful in determining the exact time without dividing the 24 hours of the day into two 12 hours periods (am/pm).

12-Hour to 24-Hour Time Format Conversion Table

This is a simple table converting a 12-hour time to a 24-hour time format. Notice that we can write 12 am directly but on the other format, it really follows this standard 00:00. Two digits of hours followed by a colon symbol and then two digits of minutes.

On the first table row, 12 am is equal to 00:00 of the current day (today). Then, on the last row 12:00 am is equal to 24:00, why is that? A common practice that when you define a whole day based on a 24-hour format, its 00:00 up to 24:00. At the same time, while 24:00 marks the end of the day, it is equivalent to 00:00 of the next day, hence 24:00 is equal to 00:00.

You may see in product promotions or events that it only last until 23:59 and not 24:00, this is to avoid confusion because it you write 24:00, this is already the start of the next day.

The company advised they would be there between 8am and 9am. At 8:30 am the crew arrived (Jay & Emilio). They immediately began working and never stopped. They continually worked without a break. They were polite and courteous, a real asset to the company. The job was complete and looks great. So far....so good.

First day they went to the wrong town. Had to reschedule. True, I gave them the street address without the town, but you'd think if more than one town appeared when they GPS'd it, they'd confirm the one I'm in. They went to Pompano, I'm in Boca. We rescheduled for the next day. The day of the appointment Nancy, the salesperson, called me 15 minutes AFTER our scheduled time to tell me she was running late. And that's only after I texted her. Totally unacceptable. Sure, things happen, but you call the customer/client before the scheduled time if you're running behind schedule. This way, you give the customer the option of waiting or rescheduling.

I am so excited to get my new floor garage floor installed, Nancy Birnbaum from 24hourfloor.com was product knowledgeable, she showed up on time, the price was very reasonable and I'm very excited to get the product installed. Witnesses walk through how bills were paid at Trump Org. Here’s what happened in court and why it matters

In the hush money trial against the former president, prosecutors called two witnesses Monday who worked in accounting in the Trump Organization: Jeffrey McConney , a former Trump Org. controller, and Deborah Tarasoff , an accounts payable supervisor.

McConney walked the jury through the paper trail that showed how executives organized and paid back Michael Cohen for the money he sent to Stormy Daniels’ attorney. This is important because at the heart of the trial — the falsification of business records — are the payments to Cohen, which were listed as retainer fees.

Tarasoff described in more detail how checks were paid at the organization and when Trump’s approval was needed for payments.

Here’s what happened in court today:

Jeffrey McConney

• McConney testified that he had a conversation with Allen Weisselberg , former chief financial officer of the Trump Org., about a need to “reimburse” Cohen . McConney then showed jurors 12 checks, each for $35,000 , that were paid to Cohen in 2017. Cohen sent invoices for those checks and asked that the payments be listed as part of a “retainer agreement.” As previous testimony in the trial revealed, there was no actual retainer for Cohen.
• McConney also explained to the jury why Cohen was paid $420,000 in all and how each check was cut, first from Trump's revocable trust and then from his personal account .
• The jury also saw business records relating to the payment to Cohen that are tied to several of the 34 falsifying business records charges against Trump. The records show several rows and columns organized to record the payments.
• On cross-examination, Trump attorney Emil Bove questioned McConney about his knowledge of Trump's role in these payments. "President Trump did not ask you to do any of the things you described?" Bove asked. "He did not," McConney testified. He said he was told to do this work by Weisselberg. McConney also said he did not know if Cohen did legal work for Trump in 2017.

Deborah Tarasoff

• As accounts payable supervisor, Tarasoff said she would get an approved invoice , enter it into the system, cut the check and get it signed. Tarasoff testified that Trump or his sons needed to approve invoices of more than $10,000 and Trump was the only person who authorized checks from his personal account , including during his presidency.
• Tarasoff said Trump would sign the checks by hand. She said they were signed in black Sharpie . Tarasoff said Trump did not always sign the checks, even when Weisselberg approved them. He would “write 'void' and send it back,” she noted.
• Before Trump was president, Tarasoff testified that she “ would cut the check , put it with the backup and bring it over to Rhona (Graff) who would bring it in to Mr. Trump to sign,” referring to Trump’s former longtime assistant. The invoices and the checks were stapled together, she said, with the check on top of the invoice. When Trump became president, Tarasoff said they would mail checks to the White House .
• The jury was shown the voucher form that said "retainer" in the description line that Tarasoff said she obtained from the invoice. Tarasoff also confirmed each of the $35,000 checks with Trump’s signature were sent to Cohen.
• On cross-examination, she acknowledged that she was not present for conversations between Trump and Weisselberg about the payments. She also said she worked with Trump's children Eric, Don Jr. and Ivanka Trump, over the years. Tarasoff still works for Trump Org., which means she works for Eric Trump, who was also in the courtroom today.

What’s next: Prosecutor Joshua Steinglass estimated they still need about two weeks from tomorrow to make their case. He stresses that's a very rough estimate. The defense will also get an opportunity to call its witnesses after that if they choose.

Gag order hearing: Judge Juan Merchan  found Trump in contempt  for violating the gag order again, specifically concerning comments he made about the makeup of the jury in this case. Prosecutors had alleged Trump violated the gag order on four separate occasions . The judge ruled that the three other comments did not violate the order. "Going forward this court will have to consider a jail sanction," Merchan said, noting the $1,000 fine is not stopping him, but he told Trump “incarceration is truly a last resort .”

Remember: Trump faces 34 counts of falsifying business record s. Each criminal charge relates to a specific entry among the business records of the Trump Organization, according to the indictment . Prosecutors allege that Trump allegedly disguised the transaction to Daniels as a legal payment and falsified business records numerous times to “promote his candidacy” in the 2016 election.

Prosecutors roughly estimate they need about two more weeks to make their case

What Deborah Tarasoff said in just over an hour of testimony

Deborah Tarasoff, an employee in the Trump Organization’s accounting department, testified for just over an hour Monday about the check-writing process at the company.

Tarasoff helped arrange the 12 checks for $35,000, each signed by Donald Trump and sent to former attorney Michael Cohen in 2017 as reimbursement for the $130,000 hush money payment to Stormy Daniels.

She testified that after 2015 any invoice over $10,000 had to be approved by Trump or one of his sons. When she created the checks, Trump would sign them, she testified — or, if he disapproved, he would write “void” on them, she said.

"If he didn’t want to sign it, he didn’t sign it," she said. She knew he was the one signing them because, "It was signed in Sharpie and it was black and that’s what he uses."

She testified she had no decision-making authority but followed instructions, including getting invoices approved, entering them into the system, cutting the checks and getting them signed.

On cross-examination, she acknowledged that she was not present for conversations between Trump and former Trump Org. CFO Allen Weisselberg about the payments.

Trump attorney Todd Blanche also noted that Deborah Tarasoff was not present for conversations between former Trump Org. CFO Allen Weisselberg and Donald Trump.

"When Mr. Weisselberg on some of the emails or Mr. McConney told you to go ahead and pay it, generate a check, you didn’t get permission from President Trump himself, correct?" Blanche said.

"Correct," she said.

She clarified with Blanche that all the checks to Michael Cohen shown in court were signed and that she doesn't know what happened with the checks after she mailed them to the White House.

But she did receive them back in the mail signed.

Blanche follows up with more questions about invoices

Attorney Todd Blanche is asking Deborah Tarasoff if Trump was focused on getting ready to be president during the start of 2017.

"I think so," Tarasoff replies.

Blanche follows up and asks whether the requests to pay for invoices "happens all the time?" Yes, Tarasoff says.

Blanche is trying to rehabilitate earlier testimony from Tarasoff that Trump would sometimes void checks for invoices he didn't want to pay. "If he didn’t want to sign it, he didn’t sign it," she testified earlier.

Celtics vs. Cavaliers schedule: Where to watch Game 2, TV channel, time, live stream online, prediction, odds

Celtics cruised to a game 1 win without kristaps porzingis.

The Boston Celtics made things look easy in their Game 1 win against the Cavaliers  and they will try to go for two in a row at TD Garden on Thursday for Game 2 of their best-of-seven series. Their opening win was easily secured without Kristaps Porzingis , who is still out with a calf injury.  Jaylen Brown led the way with 32 points, Derrick White had 25 of his own and Payton Pritchard tacked on 16 points off the bench. On a night when Jayson Tatum went just 7 of 19 from the floor and finished with just 18 points, Boston proved that its depth can cover for off nights from its star players. 

Cleveland struggled to get anything going from deep, and without Jarrett Allen manning the paint got absolutely dominated on the glass by Boston. You know the matchup is incredibly lopsided when four of your five starters score in double figures and yet you still lose by 25 points. The Cavaliers are going to need to go back to the drawing board to figure out how to make this more competitive in Game 2 because right now, it looks like Boston could very well sweep this Cleveland team.

Celtics: There are not very many teams in the league that can have their best player score just 18 points, be without another of their top 3 scorers and still win a playoff game. But these are the Celtics, a team assembled to withstand poor shooting nights and injuries. The game plan for Thursday night shouldn't be much different, although Tatum having a more efficient performance would obviously be ideal, but right now, every game is Boston's to lose in this series.

Cavaliers:  Not having Allen in the lineup proved to be a massive loss for the Cavs in Game 1. Without him, the Celtics had a +17 rebound advantage, and that's without Porzingis. Cleveland can't let that happen again in Game 2, especially the 13 offensive boards the Celtics managed to corral. That right there is an easy fix to try and make Game 2 closer. Evan Mobley did his part in grabbing 13 rebounds, but he alone isn't going to be enough if the Cavaliers want to limit second-chance opportunities, which killed them in Game 1. 

The talent disparity is just too much in this series, especially without Allen. I do believe the Cavaliers will pick up a win at some point, but it won't be in Game 2.  Pick: Celtics -13.5
