When to Apply for Grad School: Easy Monthly Timeline [2024-2025]
Embarking on a master’s degree program is a major life decision, especially when it comes to time and financial commitments. If you’re wondering when to apply for grad school and master’s programs, there’s a lot to figure out!
You’ll need to determine which schools and programs to apply for. Next, discover all the institution’s requirements, fill out applications, create your resume, write a personal statement, collect recommendation letters, and secure funding (including financial aid).
We know that preparing for grad school is a lot of work! Only after you do all that is it time to submit your application.
Table of Contents
When Is the Right Time to Apply for Graduate School?
When trying to get into a specific school or program, submitting everything on time is crucial. Many programs are quite competitive, and an early submission can mean the difference between getting accepted or not.
But what exactly is early? What’s the timeline for a grad school application?
When Should You Start Thinking of Applying?
Start your planning process as early as 18 months before your intended start date. If you were thinking of starting in the fall term of 2025, you ideally would have started preparing as early as March or April of 2024.
Starting during those months would have given you a healthy 6-9 months to meet the graduate school application deadline for fall 2025 (which would fall on December 2024 or January 2024). This should be more than enough time to put together all your grad school requirements , request recommendation letters, take any standardized tests, and so on.
Do All Grad Schools Follow the Same Timeline?
It’s worth noting that not all programs or graduate schools follow the typical timelines. Some schools follow rolling admissions while medical schools may follow different start dates and deadlines.
For example, to meet the med school application deadline for Fall 2025, you’ll have to start preparing in 2024!
If you’re wondering when to apply for grad school for Fall 2025, it’s possible that you’ve missed the deadlines. If you’d prefer a fall start, you’ll need to wait until Fall 2026. But don’t worry: You’ll have more than enough time to put together the perfect application package!

When to Apply for Grad School – A Suggested Timeline
If you’re wondering when to start applying for grad school, this suggested timeline might help you. The month-by-month example in the table below is a typical timeline for a December application submission or the graduate school application deadline for fall 2024.
Again, the timeline above is for the grad school deadlines for fall 2025. You’ll need to adjust your timeline, depending on your intended start.
Month-by-Month Timeline: In Detail
Here is a breakdown of when to apply to grad school — essentially, the table above in greater detail. Following this rough timeline can help you start earning your graduate degree in no time.
At this time, start deciding which programs you’d like to apply to.
Reach out to Mentors
Reach out to your mentors to see whether they have any recommendations for programs that might suit you best. You can also seek advice and opinions from internet forums.
Check Due Dates
When are grad school applications due? Ensure you research the programs well to avoid missing anything during the application timeline. Figure out when you need to pay your application fees.
Prep for Standardized Tests
Begin preparing for required standardized exams. Many colleges require the Graduate Record Examination (GRE) for admission. A GRE prep class might help you get better test scores that will affect your admission and financial assistance chances.
Different graduate programs may require other tests. For example, if you’re going into law school, you’ll need the LSAT. If you’re going into med school, you’ll need the MCAT.
Start planning your study and preparation strategy for these exams and start signing up for the exams you intend to take.

Keep Studying
Ensure that you spend some time studying each day – but don’t forget to take a break once in a while! Once you’ve prepared for your exams, taking practice tests this early in the process can help you adjust your studying and prep, especially if you score poorly.
Recommendation letters matter. After all, admissions teams can gauge your work ethic from people who know you best. It’s a great way to see what you’ll bring to the program! If you’re currently enrolled in an undergraduate program, your college professors might be the best people to ask for recommendation letters. If it’s been a long time since you’ve been in school, consider asking your co-workers, employers, or volunteer contacts.
After considering the best candidates, it’s time to reach out for recommendation letters! Ask early so people have ample time to write – and you’ll be able to find new writers if anyone happens to refuse. You may need to give your writers as much relevant information as possible to help them (e.g., first draft of your personal statement, notes on what to include).
You can usually take standardized tests more than once without penalty – so long as you do it early enough for retakes. You’ll be able to submit your best score later. That said, each attempt will cost you money.
Not all schools follow the same policy regarding standardized tests and retakes. Be sure to do the necessary research into your intended programs to determine how many retakes are allowed (if at all).
If you’ve already requested your letters of recommendation, it’s a good time to do gentle follow-ups. It might be good to meet with your recommenders face-to-face.
Figure out what kind of financial aid is available to you, whether from the institution, grants, or student loans. Research the scholarships, assistantships, and fellowships for programs you’re interested in. You can also look into FAFSA (Free Application for Federal Student Aid).
July is a good time to request transcripts from your previous school s – especially if you haven’t done so yet. When applying to grad school, transcript submission is one of the major requirements. All graduate schools require them!
This is another time to consider retaking your standardized tests like your GRE if you are unhappy with your initial score.
Now that you know more about the schools and programs you want to get into, you can write the first draft of your personal statement . At this point, you can write a general statement that can be revised later. Think about writing your statement of purpose, which is a short essay discussing your academic and professional background and interests.
During this month, reach out to family, friends, and mentors for feedback about your personal statement and statement of purpose. It’s likely that they’ll have valuable input to make improvements.
Remember: These statements should be concise while getting your point across. Any professional in your intended field of study should be able to understand what you are trying to say – even if they aren’t interested or specializing in your sub-discipline.
As you get closer to applying for grad school in Fall 2024, pay attention to your testing. If you’re unsatisfied with your results, October is likely your last chance to retake any standardized tests.
As you’re only a month away from your December deadline, now’s the time to perfect your statement of purpose and personal statement . Finalize your drafts!
Gather all your materials and requirements and start completing all your application forms for your desired graduate schools.
Send final reminders for your recommendation letters . Start collecting them as soon as they’re available.
This month is when most application forms are due . Finalize yours before submitting them!
If you thought the process of applying to grad school ended in December, you’d be wrong! January is the time to c omplete FAFSA (assuming you’re an American citizen) in order to secure a federal loan for your studies.
February Through April
February to April is essentially a waiting game to hear back from the graduate schools. Campus visits will help see your potential study environments and ask other graduate students about their experiences. You’ve already filled out FAFSA, so start applying for grants , scholarships, fellowships, and other loans. If you receive multiple offers, it’s time to choose where to earn your graduate degree !
And that’s it — that’s the graduate school application timeline in a nutshell!
A Note About Our Timeline
While you can always condense our process into a shorter period of time, we wouldn’t recommend cutting the timeline to fewer than 12 months. You’d be pressed for time, won’t have as many opportunities for test retakes, and your recommenders will have less time to write strong letters of recommendation for you.
Frequently Asked Questions
When should i begin my grad school applications .
To know your application timeline, you should first determine your intended start. Once you have decided, tack on twelve to eighteen months (ideally eighteen) to give yourself enough time to prepare your application properly.
When Are Graduate School Deadlines?
The best way to know when grad school application deadlines are is to check with your desired schools and programs. Not all schools have the same deadlines, so note important dates so as not to miss them! There are some typical deadlines, though — for example, many universities will set December to January deadlines for fall term starts.
When Do I Apply for Graduate School for Fall 2025?
The deadlines may vary from program to program, but in most cases, the deadline for the fall 2025 term is around December of the previous year to January of the current year. That means if you wanted to apply for grad school for fall 2025, you needed to apply in December 2024 or January 2024. However, you might still be able to apply for certain programs if they have rolling admission.
Do You Apply for Grad School Junior or Senior Year?
You’ll want to start preparing at least one year, but ideally eighteen months, before your start date. Thus, if you want to go to grad school right after graduating college, you’ll want to start the application process as early as junior year.
Wrapping up
So, when do you apply for grad school? When applying to your dream grad school programs, start as early as possible – about 18 months in advance. This will help you iron out all the kinks and make sure you submit the best possible application! If you’re still unsure, the month-by-month timeline (above) can help you figure things out.

This is why you don’t do a simple “search-replace” with years. “Start your planning process as early as 18 months before your intended start date. If you were thinking of starting in the fall term of 2024, you ideally would have started preparing as early as March or April of 2024.” Please fix all the errors! (There are a lot)
Thanks Luke! It looks like our database updated “2023” to “2024” but didn’t update “2024” to “2025”. We’ve taken another look at this article and made the corrections.

Deadlines and Requirements
Graduate Admissions
Each graduate degree differs in its admit terms, deadlines, where it is offered, application requirements, and more.
This search and filter tool will help you compare programs by area of study while getting a glimpse of the main requirements for your program.
Definitions and Additional Information
Deadline Definitions
When to apply to your degree depends on your start term and the degree's application deadline.
- Priority deadlines - Applications that are complete and received by the priority deadline listed for that degree are given priority consideration for admission and financial aid (if applicable). Applications received after the priority deadline will be considered on a space-available basis.
- Rolling - There is no specific deadline for applications; applications will be accepted and reviewed throughout the year.
We encourage you to submit your application as early as possible. If a deadline has passed, do not let that deter you. We still welcome your application.
Additional English Language Test Score Information
We accept TOEFL iBT® and TOEFL iBT® Home Edition, IELTS Academic/IELTS Academic Online, and PTE Academic scores. We do not accept TOEFL MyBest Score, IELTS One Skill Retake, or Duolingo as proof of English proficiency. View the English Language Test Scores accordion within the Application Materials section of the application instructions for information about waiver eligibility and the RIT English Exam option.
Minimum Overall English Scores and Sub-Scores
- The numbers listed in the English Language Scores column are the overall minimum scores required for that program.
- In addition to the scores listed, each program requires balanced sub-scores when determining an applicant’s need for additional English language courses. For example, a minimum overall score of 88, will require sub-scores of 22 for Reading, Writing, Speaking, and Listening.
Additional instructions about submitting requirements can be found in the Application Materials section of Graduate Application Instructions. For a full list of requirements to apply, view the admissions section on your degree page .

- General Deadline will be reviewed by the graduate program but not on a priority basis.
- Space Available Deadline will only be reviewed if the graduate program determines that they have additional space available after reviewing priority and general deadline applications.
Please Note: * denotes the admissions deadline used as the prospective student fellowship deadline.

The Graduate Application Process
Step 1: Submit Your Application
Once you have decided on a desired start term and program, complete and submit your application online here .
Many academic programs only accept applications for a specific admit term. Contact your academic department to determine which admit term to apply. It is recommended that you submit your application as soon as the admit term opens. This will allow you ample time to complete all of your departmental application materials and requirements. Please see university deadline information below.
Step 2: Receive Email Invite to Status Page
After you have submitted your application, you will be routed to your Application Status Page . The Status Page is where you will pay your application fee, add recommenders to your application, and upload required application materials.
We recommend checking this page often for updates on your application, important university updates, and contact information for your department.
Step 3: Complete your Application: the Status Page
Required application materials vary by department and will be reflected on your Status Page within one day.
If your application requires letters of recommendation, you will be prompted to input recommenders' information. Be sure to notify your recommenders in advance that they will receive an email from FSU with instructions for uploading their letters directly to your application.
The application fee is 30.00USD . You will be able to pay by credit card, debit card, or e-check. Unfortunately, the Office of Graduate Admissions is unable to waive the application fee payment for graduate applicants.
University Admission Requirements
Admission to graduate study is a two-fold evaluation process. The Office of Admissions determines eligibility for admission to the University, and the academic department or college determines admissibility to the degree program. Final admission to the University is subject to approval by the Office of Admissions. Please contact your department for program requirements.
In order to meet university admission requirements, applicants must meet the minimum requirements listed below:
Previous Degree Earned Requirements
A bachelor's degree from a regionally accredited U.S. institution, or a comparable degree from an international institution, with a minimum 3.0 (on a 4.0 scale) grade point average (GPA) in all coursework attempted while registered as an upper-division undergraduate student working towards a bachelor's degree; OR
A graduate degree from a regionally accredited U.S. institution, or a comparable degree from an international institution; AND Test Scores. (See below)
Test Score Requirements
Test scores from a nationally standardized graduate admission test that are acceptable for the academic program to which the applicant is applying.
Official test results are required from a nationally standardized graduate admission test. Use the following institution codes when requesting the official scores:
- The Graduate Record Examination revised General Test (GRE) FSU Institution code: 5219 ,
- The Graduate Management Admission Test (GMAT) FSU Institution code: PN8K567 ,
- The Miller Analogies Test (MAT) FSU Institution code: 5219 ,
- or an equivalent test that is acceptable for the program to which the applicant is applying. These scores are considered official only when they are sent directly to the Office of Admissions from the testing agency. Examinee copies are not considered official.
Although official scores are required, most departments will begin to review your application with self-reported scores, while they are waiting for the official scores to arrive.
Some programs offer an option to waive the GRE requirement. A list of these programs can be found here . In addition, FSU is currently waiving standardized entrance exam score requirements for all Masters and Specialists programs excluding The College of Business.
Transcript Requirements
Applicants must submit an official transcript (in a sealed envelope) from each college and/or university attended to the Office of Graduate Admissions. Transfer credit posted on the records of other institutions is not accepted in lieu of transcripts from the original institutions. Official transcripts for these credits must also be submitted. Applicants from U.S. institutions must submit an official transcript (in a sealed envelope) from each college and/or university attended to the Office of Graduate Admissions. FSU transcripts or official transcripts already on file will be obtained by the Office of Admissions.
Florida State University now requires a course-by-course credential evaluation for all applicants that have degrees from a non-U.S. institution. International and domestic applicants with degrees earned from international institutions must submit their official transcripts through a NACES approved evaluator for transcripts from a non-U.S. institution. SpanTran has created a custom application for Florida State University that will make sure you select the right kind of evaluation at a discounted rate. The pathway will appear on checklist after submitting part 1 of the application. Unofficial Transcripts To upload unofficial transcripts, go to your Application Status Page under the "upload materials" section, and select "Unofficial College Transcript". Be sure to upload transcripts from any university you have earned credits from. Florida State University only allows for application review with unofficial transcripts from U.S. institutions. If an applicant has a transcript from a non-U.S. and U.S. institution then, we must wait for the credential evaluation to be received for the non-U.S. institution before the application can be reviewed.
The university policy allows for application review based on unofficial transcripts. Then, if admitted, you must submit official transcripts within your first semester. However, some departments may have additional requirements for review and you should speak to the department regarding those requirements. Official transcripts are required prior to completion of the term in which you have been admitted. Failure to turn in official documents will result in a registration hold.
The University policy allows for applicants to self-report their test scores on the Application Status Page after submission. However, some departments may have additional requirements for review and you should speak to the department regarding those requirements. Official test scores are required prior to completion of the term in which you have been admitted.

Additional Application Information
A maximum of 10 credits may transfer to the program on a 1:1 basis from a CACREP accredited university. The transfer credit evaluation process begins after a student has been enrolled into the Seattle University program, and at that time the assessment will be made which credits (if any) will transfer. Students can start their Petition for Exception to Policy (PEP) process by meeting with their advisor post-enrollment. More details about graduate transfer policies can be found here . Please note that credits may not transfer to Seattle University if they do not meet the specified requirements.
Applicants whose academic credentials are below the expected prerequisite course work, grade point average and/or test scores of those typically accepted to specific programs, but who through other means convey the potential for academic success, warrant offers of provisional or probationary admission. Probationary admission involves a specific time limit during which the student is expected to achieve the minimum GPA noted at the time of admission. When this condition is fulfilled, the department usually recommends advancement of regular graduate student status.

Fueled To Thrive
International Ph.D. graduate Wizaso Munthali recounts her journey from Zambia’s environmental protection agency to a Ph.D. at NC State.
Perhaps it is not surprising that Wizaso “Wiza” Munthali knows well how to tap into available resources.
After all, she has dedicated much of her career as a professional and an NC State doctoral student to analyzing alternative energy sources. This Saturday, Munthali will recount a slice of her journey when she takes the stage as a commencement speaker for the College of Natural Resources .
That journey includes pressing pause on her 22-year career in environmental regulation in her home country of Zambia and deciding to return to school as an international student. Munthali will add a Ph.D. in forestry and environmental resources, with a specialization in geographic information systems, to an impressive resume that includes being a Fulbright Scholar . Although Munthali found the fuel to get her over the finish line, she seems surprised.
“I can’t believe it’s happening!” she said, looking ahead towards graduation. “It wasn’t easy being at my age and attempting a Ph.D., and realizing that I needed to wear glasses all the time.”
But attempt it she did. The Fulbright committee considered her experience and interests in energy transition, alternative cooking energy and life cycle analysis and recommended that she apply to NC State, where she would receive the rigor and research culture to make an impact.
Munthali said that NC State’s fast-paced, results-driven environment might be “quite daunting” initially to an international student. But what set the school apart for her was its high level of student support. Tapping into NC State’s academic resources, Munthali transformed her “phobia” of the statistical coding software Stata into excitement. “I still can’t believe it, to this day, that I can confidently go into Stata and write out some program without struggling as much as I used to at the beginning.”
She also found NC State’s counseling services to be crucial. Sadly, her mother was diagnosed with cancer in 2020 and passed away. Munthali leaned on the emotional support the counseling services provided to get her through that challenging period.
“There was always some place where you could go and get the guidance you needed,” she said.
“The system is rooting for you. They want you to succeed.”
Since her classes ended, Munthali has been teaching as a lecturer at the Copperbelt University in Kitwe, a mining city in Zambia, where she mentors young environmental engineers. She’s a natural teacher and it shows. For potential students interested in environmental science or a similar path to hers, Munthali gave this advice: “Develop a topic that is relevant to you.”
“Let it be meaningful to you.”

Canada to introduce new rules around off-campus work hours for international students
From: Immigration, Refugees and Citizenship Canada
News release
International students enrich Canada’s social, cultural and economic fabric. That is why, in recent months, Immigration, Refugees and Citizenship Canada has introduced reforms to the International Students Program, to ensure system integrity while protecting students from fraud and financial vulnerability.
April 29, 2024—Ottawa— International students enrich Canada’s social, cultural and economic fabric. That is why, in recent months, Immigration, Refugees and Citizenship Canada has introduced reforms to the International Student Program, to ensure system integrity while protecting students from fraud and financial vulnerability.
The Honourable Marc Miller, Minister of Immigration, Refugees and Citizenship, announced today that the temporary policy allowing students to work more than 20 hours per week off campus will come to an end on April 30, 2024, and it will not be extended. This fall, we intend to change the number of hours students may work off campus per week to 24 hours.
Students who come to Canada must be here to study. As such, allowing students to work up to 24 hours per week will ensure they focus primarily on their studies, while having the option to work, if necessary.
As we head into the summer session, students who have a scheduled academic break can continue working unlimited hours.
In developing this change, we looked at the needs of students, policies in other countries, as well as research that has shown that academic outcomes suffer the more a student works while studying. It also strikes the appropriate balance so students have the option to work without compromising academic outcomes. More details will be shared in due course.
We also continue to develop the new Recognized Institutions Framework to reward postsecondary institutions that set high standards for selecting, supporting and retaining international students. We will continue to support and protect international students from financial vulnerability and keep protecting the integrity of the International Student Program.
“Working off campus helps international students gain work experience and offset some of their expenses. As international students arrive in Canada, we want them to be prepared for life here and have the support they need to succeed. However, first and foremost, people coming to Canada as students must be here to study, not work. We will continue working to protect the integrity of our student program.” – The Honourable Marc Miller, Minister of Immigration, Refugees and Citizenship
Quick facts
Recent studies conducted in the US and Canada have shown that there is a considerable decline in academic performance for students working more than 28 hours per week, and that working more than 24 hours per week increases the chances that a student will drop out of their program.
Most countries that welcome international students set limits on the number of hours they may work while they study. Australia recently changed its policy to allow a student to work 48 hours every 2 weeks. In the US, students must meet additional criteria before being permitted to work off campus at all.
In December 2023, the Government of Canada raised the cost-of-living threshold that students must meet to be approved for a study permit so they are financially prepared for life in Canada and are not as dependent on working.
International students who begin a college program delivered through a public-private curriculum licensing arrangement on or after May 15, 2024, will not be eligible for a post-graduation work permit when they graduate. Those who already started this type of program prior to May 15, 2024, will still be able to access a post-graduation work permit, provided they meet all other criteria .
The new letter of acceptance (LOA) verification process has been a success. Since its launch on December 1, 2023, through April 1, 2024, IRCC has
- received almost 162,000 LOAs for verification
- confirmed nearly 142,000 LOAs as valid directly with designated learning institutions (DLIs)
- identified almost 9,000 LOAs that didn’t match any LOA issued by a DLI or that the DLI had already cancelled before the foreign national applied for a study permit
