Professional resume services can cost anywhere from a few hundred to a few thousand dollars . Found a cheaper alternative? “You get what you pay for” is a cliché for a reason — and in this case, it’s very true.

Resume writers can’t simply build a resume from scratch. You’ll still need to provide them with information, including your job history, educational background , and accomplishments . You may also end up needing more than one resume — at least, if you’re applying for more than one job, which you probably are. That means you’ll be tailoring your own resumes anyway, or you’ll be racking up additional fees for a resume writer to do it for you.

Then there’s the initial vetting process, ongoing collaboration, feedback, and revisions. By the time it’s finished, it’s unlikely you’ll have saved much time or effort; instead, you could have simply plugged the same information into a template and saved yourself several hundred dollars.

Don’t expect a brand new resume in a matter of hours — a week or two is more realistic. Also factor in 1-2 initial phone calls (yes, calls — writing a resume takes a lot of back and forth, including information that can’t easily be conveyed over email) as well as multiple revisions. Some resume writing services may offer a quicker turnaround if you’re in a hurry, but don’t expect the rush option to come cheap.

How do most resume writers get started? By deciding to write resumes. There are no official qualifications needed to become a resume writer, and the truth is that most resume writers don’t have backgrounds as recruiters or hiring managers.

You can look for resume writers who are affiliated with the National Resume Writers Association or who possess Certified Professional Resume Writer (CPRW) certification, but even then, there’s no way to know exactly what you’re paying for. There are pros and cons to having someone else create your resume. HR Director seems to be exploring the option in order to improve on the “mixed feedback” received on their resume to date. However, outsourcing this key part of your personal brand may not improve your results.

1 - Even the professionals don’t agree on best resume practices

If your ultimate goal is having uniformly positive reviews from everyone who looks at your resume, then I would rethink that expectation before hiring a resume writer. If you survey hiring managers, recruiters and even professional resume writers about common resume questions, you get different answers. How long is too long for a resume? What should you include in the summary section? Should every resume even include a summary? Which is better – functional or chronological? (As a recruiter for 20+ years, you can see what I think are the most important features in a resume here .)

There is a myriad of different issues to consider with any resume, for both content and formatting. People have their own preferences and opinions, so even professionals routinely involved in the hiring process won’t all agree on best resume practices. If the professionals can’t agree among themselves in general, it’s unlikely they can all agree on what they think of your resume specifically. Hire a professional resume writer, as long as you recognize this is one expert’s take, and you still may get mixed reactions.

2 - Writing the resume is just one part of creating it

Even if someone else writes the resume, you still have to relay the facts, details and nuances to someone else. The professional resume writer might guide you, but only if they know your target industry, role and level well enough. At a minimum, your resume writer should help you capture key dates, titles, degrees and other building blocks for the content. However, you can do that for yourself, and there are templates readily available online to help prompt you.

Yes, a talented writer can help improve organization and flow, but they will only be as good as the information you give them. You still need to know what is compelling to your target industry, role and level. You still need to dig through your background for the most substantive and relevant results and examples.

3 - Your resume is just one part of your application – and not the most important one

Even if you have a beautifully put-together resume, you still need to get it to the right person, get through the interview process , drive the process to a decision and negotiate the offer. This also presumes that you’re targeting the right positions in the first place – i.e., ones that align with your current interests, priorities and life circumstance.

The resume is not even the entirety of your marketing material. You also need to optimize your LinkedIn profile , write compelling cover letters , structure your networking pitch and curate strong references . If you’re changing careers – i.e., going after a different role or industry or both – your resume is arguably the least important marketing tool because it’s backward-looking by design and therefore highlights your old career.

4 - Whatever you decide now, plan for updates

Even if you do decide to go with a professional resume writer, you will have updates, not just for the new job you hopefully land, but whenever you accept a new responsibility at your current job, complete a substantive project, take a relevant course or some other career development. As you talk to more people and more companies, you get real-time market feedback that may cause you to rethink what is compelling to your target area (and therefore what content to include in the resume).

A strong resume is continually updated. It changes when your background changes, but also when your interests dictate that your resume needs to attract a different audience. It changes as your career progresses, and you need to add items and inevitably delete things. You might need a completely different resume style or format if you career dramatically changes – e.g., you move into academia and need a CV, you start a business and need a bio more than a resume.

What you should know before hiring a professional resume writer.

Aside from being a regular contributor to r/resumes , I'm also a resume writer by trade. I've been in the careers industry for 15 years, a third of which was spent recruiting in the engineering industry, and the rest as a resume writer and coach. Over the past four years with Final Draft Resumes, I have worked with over 500 professionals, from executives and middle managers to new graduates.

It makes me sad to see folks get duped into buying resume services from what I'd just call unqualified people. I see posts every week on the sub about resumes that were written by so-called professionals, and I want to laugh, until I remember it's not funny.

This post is for everyone looking to hire a resume writer. It'll help you find out of someone you're looking into is qualified and hopefully avoid wasting your time and money.

If you haven’t worked with a resume writer before, you may be hesitant to trust a third party with such a personal, important document. You may be wondering whether investing in writing services is worth it, how the process works, and how to choose a qualified writer.

If you're considering hiring a professional resume writing service, this guide is for you. There are literally hundreds, if not thousands of services (companies and individual writers) out there with wide price ranges and levels of service. Sorting through the options can be daunting and if you're not careful, you could end up wasting your time and money.

In a nutshell, resume writers help candidates prepare job application materials such as resumes, federal resumes, CVs, academic CVs, and cover letters. Some writers may also offer additional services such as career and interview coaching, LinkedIn profile writing, and placement services.

This will depend on your personal and professional circumstances. Generally speaking, there are a few situations where hiring a resume writer may be the right choice. They include:

You've been applying to many jobs and haven't been receiving any calls from employers.

You have no idea what ATS is or how to factor it in when writing your resume.

You have a complex career history and aren't sure how best to convey it in a professional and engaging manner.

You're looking to switch careers and aren't sure how to convey your transferrable skills.

You're a midlevel, senior, or executive level candidate, are still employed, and want to prepare for your next career move.

This list is not exhaustive, there may be situations where hiring a writer is the appropriate choice. However, there are also a few situations where hiring a writer is probably not the best choice. These include:

You're confident with your existing resume, have already been seeing results, and are just looking for some minor feedback.

You financial situation doesn't permit. The truth is that well-regarded writers charge anywhere from $200 to $1000+. You'll see many writers here on Reddit, on Fiverr, and elsewhere charging fees that seem too good to be true (think less than $100). If your financial situation doesn't permit the cost of a reputable writer (and we'll get to that later), you're much better off writing your own.

You're still in college/university. If you're at this stage of your career, you'll do fine relying on your college career center along with web resources like this sub.

Note: Your first step should always be posting to the r/resumes sub for feedback. This sub is packed with industry professionals that can give you helpful advice - you may end up not needing a writer.

There are several things you need to look for when trying to determine if a writer is qualified.

(1) What is the writer's background?

If you're working through a company, ask if you can speak with the writer directly (if the answer is no, I wouldn't recommend proceeding any further with that company).

If you're working with an independent writer, ask them! However, the truth is that well-regarded writers come from diverse backgrounds. Education-wise, there isn't a set program that "produces" resume writers. However, you should expect a bachelor's degree at a minimum and a work history with active engagement in career-related professions. Some examples include recruiting, human resources, or career coaching.

Regardless of the writer's background, they should have an online presence such as a website or LinkedIn profile that you can view.

If you can't find a writer anywhere online, it may be difficult for you to verify their credentials. In such a case, it's a good idea to be extra careful.

(2) Do they have samples they can share?

Ask for one or two samples. Most writers will readily provide them or list them on their website/portfolio for clients to see. If they don't and can't provide one, walk away.

(3) Do they have client testimonials that you can reference?

Companies and independent writers that deliver positive results will definitely want to make it known to prospective clients. Ask them for their client testimonials and take a look at what their previous customers have said about their work to get an idea of what it's like working with them.

Needless to say, be wary of companies and writers that don't have any reviews, are unable to refer you to their previous customers, or have a string of negative reviews (especially if those negative reviews involve the issues).

What to expect during the writing process

All processes generally follow a similar structure that consists of an information gathering stage, writing stage, and review/revision stage.

Information Gathering

A good writer will want to speak with you directly and uncover information with regard to your work history, skills, accomplishments, and career goals. Most of the time, this process is handled through a phone call, but some companies/writers will collect this information through a form.

Ask the company/writer how they'll be gathering the necessary information to prepare a resume that is unique to you. Beware of companies that don't utilize a consultation process at all and only ask for your existing resume. You may be unpleasantly surprised when you see your old descriptions reworded and repackaged.

Ask the company/writer how long it'll take to write your resume. A quality resume takes time and effort to create - think six hours for an entry-level resume up to 15 hours for an executive resume. Beware of turnaround times that seem a little too quick - the industry standard is approximately one week (or five to ten business days).

Review and Revision

After preparing an initial draft, the writer will typically send offer the client an opportunity to provide feedback and request changes if needed.

Ask the writer about whether or not they allow requests for revisions, how many revisions, and for how long after you've concluded the service.

A Google search will quickly reveal a broad range of prices. As mentioned earlier, the typical price range starts at $200 and goes well over $1,000. Two factors that affect this are:

Your experience level.

The writer's experience level.

Be wary of companies and writers that offer their services at very low rates; it's more often than not an indication of low quality service. Remember that many hours go into building a quality resume spanning consultations, research, writing, reviews, and revisions.

Questions to ask yourself when considering the value of investing in a professional resume:

Do you earn an annual salary of $70,000 or more? If the answer is yes, paying for a tailored resume will probably be worth it. With the cost of a resume at about $500, that works out to less than 1% of your annual salary.

Are you still early on in your career (still in college or recent graduate)? If so, waiting may be the better option.

Should I work with an industry-specific writer?

While there are variations across industries, generally speaking, resume writing best practices are consistent across the board, with some exceptions including:

Industries that emphasize graphically intensive resumes (i.e., portfolios) rather than traditional resumes.

Some companies will have writers on staff that only work with certain industries (i.e., IT, software engineering etc.). Independent writers are generally more versatile and work with professionals in multiple industries.

The advantage to working someone with generalized experience is that they'll likely have greater all-round industry knowledge and will be preferable if you're switching industries.

However, working with a writer that specializes in one or two fields may be a better option if you're in a highly technical professional such as software development and want someone that can understand the in-depth technical concepts and terminology.

Unethical practices that you should be aware of

Like any industry, resume writing isn't free of corruption and unethical practices. Two main practices to watch out for are:

(1) International Outsourcing

Some writers/companies that charge fees that seem too good to be true are actually outsourcing their work to international writers to reduce costs. It can be hard to identify companies that do this before buying their services, but three helpful indicators are:

Poor samples,

Negative client reviews, or

The inability to speak with the writer before purchasing the service.

(2) Ghostwriting

Some writers will take on more clients than they can handle and offload those clients to ghostwriters - other individuals that write your resume but that don't take the credit.

Writers that engage in this practice are more interested in maximizing profits over ensuring client satisfaction. As with outsourcing, ask to speak to the writer before you purchase the service.

  • Pay attention to your work experience section. Take your work experience section from OK-ish to exceptional by tailoring it to the job ad, making your achievements quantifiable, and using action verbs and power words.
  • Add the right skills for the job. Keep this section relevant by only including the hard and soft skills that are required for the position.
  • Keep your education short and to the point. Your most recent and highest degree is more than enough for a strong education section. You only need to add more details here if you’re a recent graduate with barely any work experience.
  • Leverage optional resume sections. Optional sections like languages, hobbies, certifications, independent projects, and others can set you apart from other candidates with similar skills and experience.

#1. Pick the Right Resume Format

Before you start filling in the contents of your resume, you have to make sure it’s going to look good. 

After all, the first thing hiring managers notice is what your resume looks like, and then they start reading it. So, this is your best chance to make a great first impression.

Start by choosing the right resume format.

There are three types of resume formats out there:

  • Reverse-chronological. This is by far the most popular resume format worldwide and, as such, it’s the best format for most job-seekers.
  • Functional. This resume format focuses more on skills than work experience. It’s a good choice if you’re just getting started with your career and have little to no experience in the field.
  • Combination. The combination resume format is a great choice for experienced job-seekers with a very diverse skill set. It’s useful if you’re applying for a role that requires expertise in several different fields and you want to show all that in your resume.

So, which one should you go for?

In 99% of cases, you want to stick to the reverse-chronological resume format . It’s the most popular format and what hiring managers expect to see. So, in the rest of this guide, we’re going to focus on teaching you how to make a reverse-chronological resume.

Fix Your Resume’s Layout

With formatting out of the way, let’s talk about your resume’s layout , which determines the overall look of your resume. 

Does it look organized or cluttered? Is it too short or too long? Is it boring and easy to ignore, or is it reader-friendly and attention-grabbing?

Here are some of the best practices you should apply:

  • Stick to one page. You should only go for a two-page resume if you have decades of experience and you’re sure the extra space will add significant value. Hiring managers in big companies get hundreds of applications per job opening. They’re not going to spend their valuable time reading your life story!
  • Add clear section headings. Pick a heading and use it for all the section headers so the hiring manager can easily navigate through your resume.
  • Adjust the margins. Without the right amount of white space, your resume will end up looking overcrowded with information. Set your margins to one inch on all sides so your text fits just right on the page.
  • Choose a professional font. We’d recommend sticking to a font that’s professional but not overused. For example, Ubuntu, Roboto, or Overpass. Avoid Times New Roman, and never use Comic Sans.
  • Set the correct font size. As a rule of thumb, go for 11-12 pt for normal text and 14-16 pt for section titles.
  • Use a PDF file. Always save your resume as a PDF file, unless the employer specifically requests otherwise. Word files are popular, but there’s a good chance they’ll mess up your resume’s formatting.

Another thing you need to consider in terms of your resume’s layout is whether you’re going for a traditional-looking resume template or something a bit more modern :

#2. Add Your Contact Information

Now that we’ve got all the formatting out of the way, let’s get into what your resume is all about— the information you put on it .

The first thing you want to do when filling out the contents of your resume is to add your contact information .

This section is pretty straightforward but crucial. Your contact details belong at the top of your resume in a designated resume header , so the hiring manager can easily find them.

Even if everything else about your resume is perfect, that all flops if you misspell your email address or have a typo in your phone number. If the hiring manager can’t contact you, it’s a missed opportunity.

So, double-check, and even triple-check your contact information section and make sure everything is factually correct and up-to-date.

Must-Have Information

  • Full name. Your first and last name should stand out at the top of your resume.
  • Email address. Stick to an address that’s professional and easy to spell, like a combination of your first and last name. (E.g.: [email protected])
  • Phone number. Add a reliable number where the hiring manager can easily reach you.
  • Location. Add your city and state/country. If you plan to relocate for the job or want a remote position, specify it on your resume.

Optional Information

  • Job title. Add your professional title underneath. Write it down word for word, whether it’s “Digital Marketing Specialist” or “Junior Data Scientist.” Just don’t make up job titles like “Marketing Wizzard” or “Data Manipulator.” They’re not quirky; they’re just unprofessional. 
  • LinkedIn profile . We recommend that you include a link to your updated LinkedIn profile since over 77% of hiring managers use the platform when evaluating a candidate. 
  • Relevant links. Include links to personal websites or any social media profiles that are relevant to your field. For example, a developer could include a Github profile, while a graphic designer could link their Behance or Driblle account, and so on.
  • Date of birth. Unless this is specifically required in the job ad, the hiring manager doesn’t need to know how old you are. It’s not important for their decision-making, and at worst, it might lead to age-based discrimination.
  • Unprofessional email address. Your quirky, old high school email address doesn’t belong on your resume. Instead of [email protected] , go for a [email protected] type of address.
  • Headshot. (USA, UK or Ireland) Depending on the country where you’re applying, it might even be illegal to include a picture of yourself on your resume . While it’s the norm to include a picture in most of Europe and Asia, always check the regulations for each specific country or industry you’re applying to.

#3. Write a Resume Headline (Summary or Objective)

It's no secret that recruiters spend an average of less than seven seconds on a resume .

When you receive hundreds, if not thousands, of applications daily, it's physically impossible to spend too much time on each.

So, what the hiring managers do to go through resumes more effectively is to skim through each resume and read it in depth only if it piques their interest.

This is where the resume headline comes in.

Placed right next to (or underneath) your contact information, this brief paragraph is the first thing the hiring manager is going to read on your resume.

Now, depending on how far along in your career you are, your resume headline can be either a resume summary or a resume objective.

So, how do you choose between a resume summary and a resume objective? Here’s all you need to know:

Resume Summary

A resume summary, as the name suggests, is a two to three-sentence summary of your career so far. If done right, it shows that you’re a qualified candidate at a glance and gets the hiring manager to give you a chance.

Here’s what your resume summary should include:

  • Your job title and years of experience.
  • A couple of your greatest professional achievements or core responsibilities.
  • Your most relevant skills for the job.

Here’s an example of a well-written resume summary: 

Experienced Java Developer with 5 years of experience in building scalable and efficient applications. Contributed to a major project that enhanced application performance by 25%. Strong background in Spring Framework and microservices. Aiming to apply robust coding skills to develop innovative software solutions at XYZ Tech Solutions.

Unless you’re a recent graduate or amid a career change, we recommend you stick to a resume summary. Otherwise, a resume objective might be a better option for you.

Resume Objective

A resume objective is supposed to express your professional goals and aspirations, academic background, and any relevant skills you may have for the job.

It communicates your motivation for getting into a new field, so it’s the go-to headline for recent graduates and those going through a career change. As with a resume summary, a resume objective should be brief—around two to four sentences long.

So, here’s what it would look like if you’re a student:

#4. Prioritize Your Work Experience

The most important part of your resume is your work experience.

This is where you get to sell yourself and show off your previous accomplishments and responsibilities.

If you manage to master this section, you’ll know most of what’s there to know about how to make a resume.

There are plenty of good practices for writing your work experience . But before we dive into all the nits and grits, let's start with the basics.

The standard format for each work experience entry is as follows:

  • Job title/position. Your job title goes on top of each work experience entry. When the hiring manager looks at your resume, you want them to know, at a glance, that you have relevant work experience for the job.
  • Company name/location/description. Mention the name of the employer and the general location, such as the city and state/country where you worked. In some cases, you may also want to briefly describe the company, like when the organization isn’t particularly well-known.
  • Dates employed. Add the approximate timeframe of your employment at each company. You don’t need to give exact dates since the standard format for this is mm/yyyy.
  • Achievements and responsibilities. This is the core of each work experience entry. Depending on your field, you want to list either your achievements or responsibilities. List them in bullet points instead of paragraphs, so they’ll be easier to read.

One of the most common resume mistakes is only listing responsibilities in your work experience section.
