Address the recruiter  

The next thing you would want to do while getting your Cover Letter ready is to address the reader who will most likely be the recruiter.  Keep in mind that it is totally okay to try and get the name of the hiring manager for the firm and address the letter directly to him/her. “In my current position, I have been directly involved with the digital marketing strategies of the brand. I have created campaigns and launched projects which have helped sell the brand product to clients. We have also had an increased lead generation by 50% in the past 4 months across all marketing platforms.”  

Share why you are motivated or enthusiastic about the role

At this point, you will have to let the hiring manager know you want this job, and just any job. This part of your cover letter will dwell on the experience you believe you will have while working with them. After all, every employer wants you to enjoy working with them, because that way, you’ll stay longer. Here’s a motivation that works:

“Having studied the ABC company and having a clear understanding of the organizational goals, visions and culture, I am certain that I would truly enjoy my stay as a part of the organization. I am also certain that the work environment will enable me to give my very best to the company as we achieve our corporate goals.”

Make a promise and keep your closing salutation formal

End the letter with a promise of sharing your ideas and thoughts to meet the company’s needs once you are invited for an interview. This way, the hiring manager begins to look forward to a productive conversation with you during an interview. Also, keep your closing salutation formal at the end of the letter. The following words can suffice;

“Sincerely,”

“Best Regards,”

“Respectfully Yours,”

If you are searching for a job, a compelling CV is essential. There are times when your CV may not be enough. South Africa has a very high unemployment rate putting pressure on available positions and leading to hundreds of extremely qualified candidates applying for one job. Therefore, if you want your application to stand out, you must know how to write the best cover letter for a job application.

Because it’s through your cover letter that employers get to see the kind of employee you will be if they decide to hire you.

What is a Cover Letter for a CV?

A cover letter allows you to endorse yourself for the position you’re applying for by supporting elements in your CV and giving your application more personality. It is attached ahead of the CV. But since most people email or upload their CVs and cover letters, it is a separate document that is ancillary to the CV.

Usually, employers will ask you to add a cover letter to support your reason for applying for the job, especially if they presume there’ll be many candidates.

The first time you write a cover letter for a CV, don’t expect it to be perfect. Being concise but detailed about why you want the job can be challenging, especially if you really hope to get it. But, if you write methodically, your cover letter will be easy to read and understand, ensuring you get that coveted follow-up.

Your cover letter should include:

Statements Supporting Why You Think You’ll Be Good at the Job

The cover letter precedes the CV, so it is an excellent way to promote the contents of your CV.

As a result, you want your cover letter to show why you are the ideal fit for the job before the HR manager takes a look at your CV.

Discuss how your qualifications, work experience, and core competencies ensure you’ll excel at the job. Then, when the HR manager sees your qualifications and works history, they can apply them to the advertised position.

Notes on Why You Want to Work For The Company

The cover letter should also include flattering text about the company, especially if it’s a smaller or newer business with fewer than 100 employees. These smaller companies will usually have hiring processes that require you to meet with a senior executive or the CEO before you are hired. If your cover letter includes details about what you enjoy or look forward to about working for the company, it shows that you have spent time researching the company.

Concise and Compelling Opening and Closing Statements

Be sure you instantly get to the important information about your “why hire me” qualities. Formal greetings and introductions are good but should be under 30 words.

The same applies to closing statements, as you should mention that you look forward to hearing from them before mentioning your availability.

Contact Information and Full Name and Surname

Always include your email and cell phone number on the cover letter. You can include this information in the header, footer, or beneath your signature.

You should also sign your letter with your full name and surname as this is professional.

How Do I Write a Good Cover Letter?

Now that you know what to include in your cover letter, it’s time to compile one that will ensure you get a call back from employers.

Step 1: Create an Outline

Don’t just start writing. Create an outline that includes everything you want to mention about yourself within the cover letter. Keep it to five points.

This way, when you write the cover letter, you can tick off each point after you’ve included it. 

Step 2: Include Key Phrases

If you aren’t aware of how the hiring process works internally, know this: those who create the job advertisement include the specific elements the company wants in a candidate. So, if they say “a dynamic candidate who can work in high-pressure situations,” they are looking for someone with those exact characteristics. It’s your job to read through the job ad carefully and pick up on the key phrases they’ve used so you can modify them slightly and include them in your cover letter. Only include up to three key phrases or words so it doesn’t seem like you are parroting their statements. 

The more jobs you apply for, the more you’ll see key phrases repeated and can insert that into your letter to avoid having to rewrite the entire letter for every job.

Step 3: Create a Draft Letter

Now that you have created an outline and have your keywords create a draft. The draft should include a formal greeting, 

an opening paragraph of no more than thirty words. 

A two-paragraph body. The first paragraph should detail what you bring to the job, and the second paragraph should be open to customization. In this second paragraph, you’ll write about the company and include one or two key phrases.

Then write a closing paragraph, mentioning that you look forward to hearing from them.

Step 4: Customize it to the Job You’re Applying for

Once you have a draft of your cover letter, you should customize the dynamic elements in the letter for each job you apply to. 

The dynamic elements include information about the company and key phrases in the company’s advertisement.

Step 5: Summarize Your Letter

Your cover should be no longer than 250 words. It can be as short as 150 words if you can write a convincing and compelling letter within those constraints.

Remember, the person reading your cover letter could be spending a considerable amount of time reading other cover letters. Therefore, you only want the most pertinent information present as this makes it easy to read. 

Also, you should remember that not everything that you feel is a stand-out feature is relevant to your cover letter. As such, cut out:

  • Filler content that doesn’t relate to the job, company, or relevant accomplishments.
  • Mention of accomplishments that took place more than five years ago.
  • Lengthy sentences of more than twenty words (you don’t have to remove the entire sentence, only cut down on words).

Step 6: Check for Spelling and Grammatical Errors

If the role you are applying to requires you to communicate with clients, colleagues, or the public, your employer will take special note of your competency in this area. 

Step 7: Send in the Correct Format

Before you send your cover letter, be sure it is in the correct format: Docx or PDF. Sending it in the incorrect format shows that you weren’t attentive to the brief and can lead to the employer questioning your commitment and diligence, as it’s a simple phone call or email to find out what the correct format is. 

Alternatively, if the job’s ad does not include that information, you can send it in both formats.

A cover letter is essentially a short letter of introduction which is often sent along with a job applicant’s CV or resume.

What is the purpose of a Cover Letter?

The purpose of a cover letter is to give your potential employer a quick overall idea of your capabilities, and, if you are responding to a specific job ad, why you are suitable for this position. Ideally, you want your potential employer to then read your CV or resume, and then invite you for an interview. So your cover letter must make a good impression!

Are there different kinds of Cover Letters?

  • Application letter: This is in response to a job advertisement.
  • Prospecting letter: This is to find out about potential jobs.
  • Networking letter: This is a request for further information and possibly assistance.

The most commonly used form is the application letter.

How long should my Cover Letter be?

Ideally, no longer than one page.

What sort of information should be in my Cover Letter?

Taking the application letter as a guide, there are several key points you should include in your cover letter. You should divide your letter into a header (with your contact details as well as the recipient’s contact details, plus the date), an introduction (where you express interest in the advertised job), main body (where you state why you will be an asset to the company/why you are qualified for the job) and a conclusion (where you end the letter, and sometimes also indicate what you expect to happen next eg “I will await your response”).

Recruitment policies within organizations slightly differ from one organization to another. Some companies may need the job application letter while others may not because they may assume that the resume has all the required information they need to know about you.

Today, the majority of organizations insist that applicants should apply for jobs online. However, there are companies that still accept traditional handwritten cover letters. Here is a detailed discussion about the appropriate format for penning a letter of employment in South Africa.

Date And Contacts

In a hard copy, write the date of application, your address, and lastly, the company’s address. Do not change the order of these items and arrange them vertically while leaving a space after each one of them.

In a digital copy for an online application, there is no need to write the company’s address and your address. The essential information that the employer should know is your city, country, cellphone contacts, and email.

Use the name of the contracting manager to address him or her. This shows that you know who you are writing to because you have done research about the company. The titles Mr., Mrs., and Miss. in a CV cover letter can offend the manager because you may be wrong about the marital status of the person. The world has moved away from the traditional “Dear Sir/Madam” greetings to “Dear Hiring Manager” because the latter is more appealing than the former. The “Dear Hiring Manager” salutation is also a clever cover-up for not knowing the names of the managers.

First Paragraph

Here is the part where you show the enthusiastic side of you. State the job title that you are applying for and how you learned about the vacancy. State the most recent and major scholarly qualifications that you have that match the job requirements. It can be a bachelor’s degree, masters’ degree, certificate, diploma, etc.

Paragraphs At The Center

In this section, you will write in detail the qualifications that you have, starting with the educational qualification that you mentioned in the opening paragraph. Write about your work experience and the skills that you got from those jobs. Persuade the manager to hire you by letting him or her know the achievements you made in those jobs and your values.

Ending Paragraph

The manager needs some acknowledge from you. Request for an interview courteously and provide him or her with your email and cellphone number in this part.

Closing Complements And Signature

Seeking a job can make anyone emotional. Do you know that you sound affectionate when you write words like cheers, yours truly, and warm regards? “Yours sincerely” or “Regards” with your name at the bottom is the most appropriate way to go about it. If you are using your handwriting, do not forget your signature.

What Are The Precautions For Writing A CV Cover Letter?

  • Send the document as a PDF or .doc because, unlike the word document, the orderliness in the PDF or .doc cannot be altered by the system of the organization.
  • Make it readable by using Arial, Calibri, and Verdana fonts of size ten to twelve. Add spaces between the sections and use single-spacing to make the document look neat.

Employment certificate, financial documents, and income tax return (ITR) are the staples of most visa applications. But there is one document that is usually overlooked — the cover letter.

A cover letter isn’t always a requirement when applying for a visa. However, it’s something that we often recommend to add to your pile of documents, especially if there is no interview and you have some explaining to do.

You see, sometimes, things don’t always fit the mold perfectly. There are cases wherein you can’t provide the exact document needed, but you have a very good alternative. Or maybe you just can’t provide something at all, but you have a perfectly valid reason. Or perhaps you’re traveling with a group or for a special purpose. These instances could probably benefit from a well-crafted explanation to give the visa officer a clearer picture of your situation.

When I apply for a visa, I usually submit a cover letter regardless of whether or not it’s one of the requirements. I always want to give a summary of my application and clarify some aspects that may be prone to misinterpretation.

What should be in a cover letter?

For me, a good cover letter must be able to provide the following:

  • A short introduction about yourself.
  • Your travel dates and the purpose of your trip
  • If traveling with a group: your companions and your relationship with them
  • If sponsored: your sponsor’s name, your relationship with them, and the reason why they are willing to sponsor you
  • If you’re missing some requirements: the reason why you won’t be able to provide them and the alternatives you are submitting instead
  • If applying for a double entry or multiple entry visa: the reason why you need to be allowed more than one entry
  • A quick rundown of the destinations you will be visiting
  • A quick summary of your travel history (if any), highlighting that you have NEVER violated visa rules in the past
  • A promise to return to your home country in time

Looks like a lot, huh? But here’s the thing: According to a couple of friends who used to work as visa officers at strict embassies, they usually had very little time to assess each application. Hence, if you’re going to make a cover letter, go straight to the point . One page should be enough. The key is being concise — finding the balance between giving enough information and keeping it short and sweet.

Here are some samples. I intentionally used complicated situations to give you an idea how I usually explain them. If they don’t apply to you, feel free to modify these to match your case. Please use this only as a model for your own cover letter. Please do not copy-paste the whole thing without adjustments.

I plan to visit Canada and have started my visa application. I selected visit friend for purpose instead of tourism as I would like to be fully honest with my application. My very purpose is to be with my boyfriend and meet his family and friends. Touring comes as a bonus.
