  • University admissions

#1. Academic Recommendation Letters

Academic recommendation letters are typically required to be submitted by students during the admission processes of graduate and undergraduate schools. 

Generally, each prospective student is requested to submit up to three references, which can be written by any education professional familiar with the candidate’s academic background. 

Academic reference letters include:

#2. Employment recommendation letters 

This type makes up the most popular type of recommendation letter.

Employment recommendation letters are written by former - or current - coworkers, employers, or supervisors.

If you can choose, pick someone with more years of experience than you. After all, the more senior they are, the more weight their recommendation carries.

It is not uncommon, however, to have a potential landlord or even immigration officials ask for a personal reference.

Recommendation letters follow a particular format and layout that make writing them significantly easier.

Letter of Recommendation Format

A letter of recommendation includes the following sections: 

  • The salutation ; if you are addressing someone whose name you know or writing a personal recommendation letter, the salutation can be addressed to “Dear Mr./Mrs./Dr. Smith.” Otherwise, you may use the generic “to whom it may concern.”
  • The introduction , which first and foremost includes your statement of recommendation (i.e. “ it is my pleasure to recommend… ”). It is common to also briefly state who you are and what your expertise is.
  • The overview, or a description of the applicant’s top skills, attributes, and strengths.
  • A personal story describing more of the applicant’s skills and qualifications.
  • The closing statement , or the final call for action, is where you encourage the recruiter to contact you if additional information is needed.
  • The signature , where you repeat your name and include your full contact information.

Letter of Recommendation Layout 

When it comes to the layout of the recommendation letter, all you need to do is follow some basic formatting rules. Here are the most important ones: 

#1. One page length. This rule applies to resumes too, but it’s even more essential for the recommendation letter. Recruiters go through hundreds of them, so chances are they appreciate concise, to-the-point letters that don’t waste their time. And besides, a good recommendation letter doesn’t have to be an essay to get the recruiter ‘hooked’ - especially if you follow the above format. 

#2. Single-spaced lining, with space between paragraphs . This also keeps your reference letter within the limit by shortening the text. 

#3. Traditional font. Don’t go for something too creative - pick a classic that works. We recommend Times New Roman, Calibri, Arial, Ubuntu, Roboto or Overpass.

#4. 1” margins on all sides . This creates enough white space around the margins and makes the letter easy to read. Additionally, the text should be aligned to the left - although this is a standard alignment for most documents.    

#5. 10-12pt font size . This is the font size range that makes the document easy to read. Adjusting the font size is another good way to keep your recommendation letter within the length limit.

How to Ask for a Recommendation Letter 

Need to ask someone for a recommendation letter? Here’s what you need to know.

The go-to person for your recommendation letter will depend on the type of reference you’ll need. 

For example, if you need an employment recommendation letter , your top choices should involve people who are familiar with your work ethic and professional abilities, but with whom you’ve also had a positive professional relationship. For example:

  • Your team lead
  • Department head
  • CEO of the company
  • Direct manager
  • A coworker you’ve worked with together on a project

If you are a recent graduate with little work experience, you can ask a mentor or college professor to write you a professional reference. 

In case you need an academic recommendation letter , consider asking a professor with whom you’ve worked closely and can positively attest to your academic potential and achievements.

Your thesis advisor, for example, would make a good choice to ask for an academic reference. If you never wrote a Bachelor’s or Master’s thesis, any professor who knows you as more than just a face in a sea of students should do the trick. 

Finally, keep the following in mind when the time comes to ask for a recommendation letter: 

  • Whoever you end up asking, talk to them about it in advance . Then, follow up with a formal email that should contain all reference-related information, such as the submission details and deadline. The email can also include a description of what you’re currently doing (professionally, academically, or independently), what qualifies you for the position, and some relevant skills, achievements, or noteworthy facts.
  • If you’re asking for a professional recommendation letter, make sure to also include your resume and the job description in the follow-up email. This way, the person writing the letter will know more about you and your new position and will be able to write a more relevant recommendation by tailoring your skills to the job, or by mentioning some of your (relevant) achievements.
  • Notify the contacts you’ll be asking - considering that in most cases recruiters ask for up to three recommendation letters - at least two weeks in advance. This will give them enough time to prepare and write a good recommendation letter. This is especially important for academic references because professors are usually writing several recommendation letters simultaneously.

5 Tips on How to Write a Letter of Recommendation

There’s more to writing a recommendation letter than just following the layout instructions or sticking to the format.

We’re referring to content quality, which happens to be the trickiest part of the process. 

In this section, we’ll teach you how to write a recommendation letter that will impress the recruiter and help your referee!

Tip #1. Write an Attention-Grabbing Introduction  

First things first - the introduction.

This is where you need to grab the reader’s attention and get them interested in reading the recommendation letter. 

How to go about it? Before formally (and briefly) introducing yourself, aim to write an attention-grabbing recommendation statement, instead of a generic one the recruiter probably knows by heart already. 

Let’s explain this more practically: 

Dear Mr. Smith, 

I am pleased to recommend Sarah McKay for the Communications Assistant position.

Nothing wrong with this introduction at first glance, right? It’s a standard way of opening a recommendation letter after all. 

Well that’s exactly what’s wrong with it - it’s way too common. No, this probably won’t get your application disqualified, but it won’t impress the recruiter either.

Want yours to strike the right note? Try something like this instead:

Dear Mr. Smith,

I am sincerely glad to be the one recommending Sarah McKay for the Communications Assistant position.

This recommendation statement is not significantly different from the previous one, except for one thing: it gives the reference letter a head start by implying that recommending Sarah is an honor. And that’s more likely to get the recruiter’s attention - or, at least, curiosity. 

In case you’re struggling to come up with an attention-grabbing introduction, simply mention one of the following points, and you’re good to go: 

  • A little-known fact about the candidate. 
  • Your general consideration of the candidate’s qualities.
  • A remarkable achievement or award the candidate might have won.  

Tip #2. Establish a Meaningful Relationship With the Candidate 

All recommendation letters explain what the relationship with the referee is before listing their skills and qualifications. 

To make the recommendation more meaningful, you should show the recruiter you are just the right person to attest to the candidate’s abilities. And that’s not something you can convey by simply stating how you know them. Take the following example:   

I have taught Jake Political Science for four years. 

Does this example tell the recruiter how you know the applicant? Sure, it does. 

But it does so in a boring way and without establishing a convincing relationship with them. For all the recruiter knows, Jake is just one out of a thousand students you’ve taught over the years.

It has been a pleasure for me to teach Jake for four years and guide him through his remarkable Bachelor’s thesis in Conflict Resolution.

Notice the difference? This example specifies the writer is Jake’s thesis advisor, which makes the recommendation all the more meaningful. 

Tip #3. Tailor Your Recommendation to the Application 

Want to put in the extra effort and make sure your referee truly stands out?

Tailor the recommendation letter to the job / university program they’re applying for.

Tailoring your letter to the candidate’s application is easiest when you’re recommending someone for employment (you can just check the job requirements), but it works for any type of recommendation (incl. academic). All you need to do is match the referee’s skills and strengths to whatever they’re applying for. 

Let’s assume, for example, that you’re recommending a co-worker for a marketing manager position.

Some of the job requirements are: 

  • +5 years of professional experience in marketing
  • Experience developing marketing campaigns 
  • Excellent communication skills 
  • Project-management and multi-tasking skills 

To tailor your recommendation to the job requirements, all you need to do is mention them as your referee’s best qualities. For example: 

Even after seven years working together, Ema’s skillful way of effectively communicating with clients and co-workers alike doesn’t cease to amaze me. It only comes second to her multi-tasking abilities, which I’ve witnessed throughout the many marketing campaigns we have developed and managed. 

As you can see, there’s not much to it. 

All you need to do is check the job requirements, pick several skills and qualifications, and make them part of your referee’s top skills, strengths, or personality traits.  

Tip #4. List the Candidate’s Achievements 

Mentioning some of the candidate’s achievements is another great way to help your referee really stand out.

After all, skills, strengths, and character traits are awesome, but they can also come across as meaningless if you can’t back them up with facts. 

What do we mean by this?

Here’s how a typical personal story in a recommendation letter looks like:

I came to truly appreciate Eric’s work ethic, passion, and attention to detail the first time I assigned him to do a report on child trafficking. Eric was respectful of journalistic ethics but also willing to chase the story relentlessly, believing in its value and importance. 

Sure, this is a perfectly acceptable personal story. 

However, it doesn’t do much more than just list the referee’s skills, traits, and work experience through a subjective lens. 

What we’re saying is, it doesn’t really sell the candidate.

Now, let’s compare it to the following:

Eric’s ability to chase after difficult stories first became apparent when I assigned him a report about child trafficking. Despite the challenging topic, Eric not only pulled through but achieved more than expected by a) identifying a trafficking ring that put more than 50 minors into forced begging, b) interviewing 10 of the older minors and managing to bring that trafficking network down once the reportage went public and c) increasing the TV Channel’s ratings by 40% in 3 weeks. 

By mentioning those achievements, your account of the candidate’s experiences is a lot more “factual,” as well as impressive for the recruiter.

Tip #5. Polish Up Your Recommendation Letter

Finally, here’s 5 more simple tips to get your recommendation letter ready:

  • Maintain positive rhetoric . At no point throughout your reference letter should the recruiter sense a hint of doubt regarding the applicant’s skills and qualifications.
  • Don’t overdo the positivity. Extremes are never good - which means being overly positive might also come across as a bit suspicious or weird (even if everything you're saying is true). 
  • Follow the submission instructions . A bunch of employers, but also educational institutions, will provide instructions on how to submit the recommendation letter. We recommend you ask the candidate to double-check them and give you a heads up, because if you submit the recommendation letter wrong, the candidate might lose their chance.
  • Use a business tone . Even when you’re being creative, your writing tone should maintain a business tone - polite, and as formal as possible.
  • Mind your grammar and spelling . This is another tip that goes for all things application-related. You won’t compromise the referee’s chances with a typo, but your recommendation won’t matter much either if it’s filled with simple grammar/spelling mistakes. Run your letter through a grammar and spell-check app once you’re finished with it, just to be on the safe side of things.

1. Recommendation letter for a job

It's my pleasure to recommend [Person's name] for the Data Scientist role at X Company. I was [Person's name] supervisor from 2011-2021 and valued their deep knowledge of software programs, time management skills, and prior experience.

Above all, their innovative problem-solving techniques helped our team excel on projects. I've watched their skills grow immensely and think they'd be an ideal candidate for the job.

Next, share detailed examples of the person's problem-solving techniques and expand on how much they've grown throughout the years. Finish the letter by telling this employer how lucky their company would be to have this candidate based on your examples and their skills. 

2. Recommendation letter for graduate school

I highly recommend [Person's name] for admission to the [program] at X University. I am a psychology professor at Y University and had the pleasure of teaching [Person's name] in [course code] during their bachelor's degree in nutrition.

[Person's name] stood out from the other students because of their ability to research topics with exceptional depth and use feedback to strengthen their knowledge on how best to present nutritional studies. They thrive in collaborative environments because of their superb teamwork skills and communicate effectively with peers and colleagues.

Consider finishing the letter by expanding on the candidate's research topics and explaining some of the reasons why they have good teamwork and communication skills. It will help to know more about the program they’re applying to and which strengths to emphasize.

Each admissions committee will have different criteria, so tailor your examples to reflect the skills they’ll need to succeed. 

3. Recommendation letter for a scholarship

I highly recommend choosing [Person's name] for your annual marketing scholarship. I'm a former coworker of [Person's name] from 2015-2022 and saw firsthand how skilled they execute marketing strategies and intuitively understand data to predict future trends.

[Person's name] started as an intern and has since secured a full-time paid position. In their time at X Company, they demonstrated exceptional leadership skills and a high level of professionalism, which is why they'd be an ideal candidate for your scholarship. They would represent your scholarship and their school with dignity and integrity. 

The body of your letter should include references to specific projects the person worked on and how they’ve become a great leader in the workplace to show the selection committee why they best meet the scholarship’s criteria.

Here are a few things to consider when writing a letter of recommendation for a friend:

Ask for details: It would be tough to provide specific examples without details about what you’re recommending them for. Asking your friend for details on where they’re applying will help you structure your letter and pack it with the most valuable information.

To help applicants and recommenders know what colleges are looking for in recommendation letters, some schools provide examples on their admissions website.

Recommendation letters can serve as powerful testimonials about a student's accomplishments, and the most effective letters demonstrate a candidate's potential for greatness, according to college admissions officers.

The best person to write a letter of recommendation is someone who knows the applicant well and can describe that person's journey in detail, says Kristen Capezza, vice president of enrollment management and university communications at Adelphi University in New York.

Ask for a recommendation letter from the teacher with whom you have the strongest rapport, Capezza suggests – not just someone who gave you a high grade. "That, to me, makes for a more powerful letter, because it will be more personalized and less generic."

Strong relationships shine through in letters and can help in situations where grades are poor, says Denard Jones, lead college counselor at Empowerly, a college admissions consulting company. Jones previously worked in college admissions at Elon University in North Carolina and Saint Joseph's University in Pennsylvania.

"Some of the best recommendation letters I’ve read over the years actually came from where a student might have had a lower grade than just an A," he says. "The reason being was the teacher knew that student and was able to go through and talk about the time they struggled and how they worked through the processes to overcome mastery of a new subject."

Similar to personal essays , recommendations should add to a student's application rather than repeat information, experts say. Admissions officers want to hear the story behind students to understand them holistically. For example, learning about a creative project a student participated in or the fact that the basketball player also starred in the school musical are examples that provide deep context, Jones says.

To help applicants and recommenders know what colleges are looking for in recommendation letters, some schools provide examples on their admissions website. Arizona State University provides this template , which shows how to format the letter as well as the type of content that should be included.

Massachusetts Institute of Technology also provides a breakdown on how to craft a strong letter, with several example letters and critiques on what makes them effective or ineffective.

College admissions pros also offered U.S. News insights on outstanding recommendation letters they've read during their careers.

Recommendation Letters That Swayed Admissions Officers

Admissions officials note that various types of recommendation letters can help a student's admissions odds. Those include letters that explain difficult personal circumstances, showcase remarkable achievements or reveal a student's personality.

Effective recommendation letters help admissions officers imagine how a student could contribute to their class, Capezza says.

"Reading about stories of perseverance, tales of transformation or simply honest accounts of the student's dedication to learning and the community help me to visualize the student as a future member of our community – and that visualization can be the turning point for a difficult admission decision," Capezza wrote in an email.

Challenges Faced and Overcome

Sometimes recommendation letters explain extenuating circumstances that clarify why a student's academic performance was subpar during a particular period in high school, says Skye Telka, admissions counselor at Sora Schools, a virtual private middle and high school. Telka previously served as a college admissions counselor for Warren Wilson College , a liberal arts school in North Carolina.

For instance, she once received an application from a student who performed exceptionally well in her freshman and sophomore years, but faltered in her junior and senior years.

The letter explained that the student's mother was critically ill, and the student had assumed the responsibility of parenting her own siblings, becoming her family's caregiver. Because of this letter, the Warren Wilson admissions committee accepted the student despite her lackluster grades, Telka says.

She also recalled admitting a student who had struggled in mathematics until eventually being diagnosed with dyscalculia , a learning disorder that affects a person's ability to do math.

"This letter of recommendation was important in not only revealing the student’s intellectual capacity, adaptability, and persistence, but also helped further contextualize their academic journey," Telka wrote in an email. "Especially in light of a global pandemic and some of the knowledge loss or academic irregularities associated with that, a clear and dedicated passion can really win over an admissions committee in the review process. Such passions are weighed heavily when it comes to shaping the incoming class."

This letter example from MIT shows how a school counselor provided context about a student's difficult life outside of school and previous struggles in the classroom.

Jane is an outstanding young woman whose academic record may not fully reflect her ability. Her parents were divorced during her junior year, and, for several years before that, her home situation had been in turmoil with a great deal of fighting between her parents. Her father has an alcohol problem, and Jane certainly endured a great deal of emotional distress. The fact that she has been able to do as well as she has done given the circumstances says a lot about her. Now that the home situation has stabilized, her performance has improved. I believe her senior year grades are a much better reflection of her ability.

The anonymous critique provided on the MIT admissions website says some may wonder if it's appropriate for recommendation letters to include such personal details. It is, the critique explains.

"We appreciate anything that gives us insight and perspective into a student’s performance and the environment," the critique reads. "Comments about problems that a student has experienced will help us understand the context in which they have accomplished whatever they have achieved. The extent to which they have dealt with these problems is useful to know as well."

These types of letters can be particularly valuable in cases where a student is less eager to share the details on their own, Jones says.

Information about a student's difficulties can not only mitigate deficits in an application, but also increase scholarship opportunities, Jones says. He adds that if a recommendation letter is especially compelling, the admissions committee might offer a student a scholarship or a spot in the honors program.

Abilities and Passions

Admissions officers say there are some recommendation letters that convey a student's strong interest in and aptitude for a specific academic discipline. Telka says she was amazed by a recommendation letter for a prospective agriculture student that was written by the student's employer at an apple orchard. The student had worked to revive a nearly extinct heirloom apple variety by planting it in various places.

"Because I had such context of what they had already achieved, it allowed me to reach out to faculty on campus (and) reach out to a couple of endowed scholarship opportunities," Telka says.

Another example from MIT shows a student interested in journalism who took on leadership responsibilities for the school newspaper and yearbook.

As business manager for the paper and co-editor of the yearbook the past two years, Mary has done an outstanding job. She personally brought the town’s business community from the view that the school newspaper was a charitable organization to the realization that the paper is a direct pipeline through which advertisers can reach students. She also took the initiative to set up the advertising rate schedule for the paper that produced enough revenue to expand coverage from a four-page paper, so that it is an eight-page and often twelve-page paper. Her work as photographer for both publications has been equally outstanding.

"Lots of specifics here give us a very clear impression and help us to know why that impression is held," the critique reads. "We have evidence of her newspaper directives and overall character."

When a student says he or she is strongly committed to a specific field or a particular type of community service , it is a plus if that statement is corroborated by a third party in a recommendation letter, Telka says.

It's also helpful when recommendation letters highlight a student's unusual interests. "We like to see nuggets of authenticity and anything that makes the student stand out," she says. "Clubs, extracurricular activities or anything else that makes a student unique. For example, we had one student who founded the juggling club at their high school. That sticks with you."

Strong Character

A recommendation letter may also offer insight into a person's character. Capezza recalls a letter she received about a student in a military family who had moved across the country. Written by a high school counselor , the letter described how the student had adjusted to the various places he moved.

"Throughout it all, the student was able to show upward trajectory in the grades and the types of classes being taken, but it also spoke to the student's ability to adapt to new situations," Capezza says. "No matter how overwhelming and daunting it was, the student was up for a new challenge and really learned to become his own self-advocate, and it was just a story of transformation by way of circumstance."

The following example, provided by college admissions consulting company IvyWise, describes a high-performing student's character.

Ashley’s teachers say she is an organized student who is not afraid to ask questions when she is uncertain about a skill or concept. She also works well in group settings, always making sure all members are actively involved in the work, instead of simply taking over, as many of her similarly high achieving peers are wont to do. She is also extremely goal-oriented; once she sets her mind to completing a task or project, she pursues it in earnest until it is done, regardless of any obstacles that pop up along the way. Far from the ruthless competitor, however, her peers characterize her as a compassionate friend, someone that everyone feels comfortable opening up to.  

This section of the letter "backs up the things the committee will likely see in her other recommendations and essays and provides a qualitative understanding of who she is as a student and a member of a school community," says Carolyn Pippen, master college admissions counselor for IvyWise.

A Strong Introduction and Conclusion Help

Like any piece of writing, it's important for a letter of a recommendation to immediately grab the attention of the reader. Though students don't necessarily have control over how a letter is written, experts say having deep relationships and offering anecdotes can help recommenders craft a more compelling letter.

"Experienced readers glance at the opening and concluding sentences before deciding if the letter is worth reading," he says. "A good anecdote is far more effective than even the most carefully chosen list of adjectives."

Jones provided an example of a teacher's recommendation for a fictitious student that demonstrates this well.

Introduction

One of my professors used to remind us daily of a quote by Ralph Waldo Emerson, “Nothing great has ever been accomplished without enthusiasm.” ... Jack epitomizes this quotation because he displays enthusiasm and energy toward everything he commits. Whether it be his intense dedication to academics, his devotion to making sure his customers are happy, his role as a lead in our Future Business Leaders of America club, or his overall school spirit, Jack puts forth every effort to produce the best possible results. He seems to live a fearless life. I have witnessed this first-hand.

The letter goes on to explain how Jack started his own lawn care service as a 10th grader and was managing more than 20 properties by his senior year. It also explains that Jack spent time working alongside his mother at a medical treatment center to help restore a decades-old barn that would help a local farm rebuild its revenue stream.

The conclusion should summarize the letter and tie everything together, Jones says. This example, written from the perspective of a school counselor for the same fictitious student, demonstrates that well, he says.

Jack is well-rounded – academically sound, athletic, and a leader. He has an entrepreneur's outlook, spirit, and risk-taking calculus. Life is more than what's happening for him today or next weekend – he is a strategic, forward thinker who enjoys planning for the future. He wants the next part of his journey to be in an environment where he can stretch himself, try different things, and confidently spread his wings. I am happy to give my full recommendation for admission to Jack Wright!

"A brief summary of the student's accolades will leave the reader with a positive feeling," Jones says.

What to Write in a Letter of Recommendation

Ideally, when you're writing a  letter of recommendation,  it's about someone whom you feel merits praise, so all you have to do is write down your positive feedback on the candidate.

The process isn't always as easy as it sounds, though. It can be challenging to write a terrific recommendation letter. There are also standard items you should generally mention in your endorsement of the candidate. 

Following a template can help ensure your letter hits all the important points and is as effective and informative as possible.

As you prepare to  write your letter of recommendation , make sure you have  enough information to work with .

To make it easier, ask the individual you are assisting to provide you with their resume, a list of volunteer or extracurricular activities where they have held leadership roles, and descriptions for the jobs to which they are applying.

You should also ask them to alert you when they have used your  letter of recommendation  so you can be prepared to speak on their behalf should an employer call you for additional information. 

Your letter should follow a specific format to guide the reader through your relationship with the person you're recommending.

Your letter should begin with a heading that includes your contact information followed by the date and a greeting or introduction.

If you are writing a personal letter of reference, include a salutation (such as Dear Mr. Johnson, Dear Dr. Jameson, etc.).

If you are writing a general letter, use " To Whom It May Concern " or don't include a salutation. If you don't include a salutation, start your letter with the first paragraph.

The body is where you explain why you're a good reference, why the individual is qualified, and what their relevant skills are. 

First Paragraph

The first paragraph of a recommendation letter explains your connection to the person you are recommending, including how you know them and why you are qualified to recommend the person for employment or school.

I met Susan when she was a Freshman in my Introductory Economics course at WVU. Throughout her studies in my department, I had the opportunity to work with her on several research projects where she acted as my assistant.

Second Paragraph

The second paragraph of a recommendation letter contains information about the individual you are writing about, including why they are qualified for a position, what they can contribute, and why you are recommending them. If necessary, use more than one paragraph to provide details.

Bill graduated with honors in Philosophy and was always focused on how his future would progress. He knew he wanted to pursue a doctorate very early on and has worked independently, in groups, and as a research assistant. I believe Bill would be an asset to your department, as he brings a tremendous amount of energy and enthusiasm to his studies. He is a very bright and qualified individual, and a pleasure to work with.

Third Paragraph

When writing a letter recommending a candidate for a specific job opening, the recommendation letter should include information on how the person's skills match the position they are applying for. Ask for a copy of the job posting and a copy of the person's resume so you can target your letter accordingly.

I believe Christine would be an excellent addition to your international sales team. When I worked with her at XYZ, I was impressed by her ability to communicate the effectiveness of our products to clients and close a sale. During the two years I worked with her, she was personally responsible for adding several new clients in Asia and Africa.

The end of the letter is where you finalize your recommendation with specific wording that should highlight your enthusiasm for the person.

This section of the recommendation letter contains a brief summary of why you are recommending the person. Use phrases like "strongly recommend," "recommend without reservation," or "candidate has my highest recommendation" to reinforce your endorsement.

During my acquaintance with Joanne, she has been efficient, professional, organized, and a fantastic team leader. She has my highest recommendation for the position of office manager at DEF, Inc.

The concluding paragraph of your recommendation letter contains an offer to provide more information. Include a phone number within the paragraph, and provide the phone number again, along with your email address, in the return address section of your letter or under your signature.

How to Make a Request for a Recommendation Letter

One of the most important steps in your request for a reference letter is to make things organized and easy for your recommender and include enough relevant details. When making a request for a letter of recommendation from a professor, keep in mind that they get dozens of such requests from students each semester.

While it’s widely accepted that this “comes with the territory” for professors, you should not assume that they enjoy receiving last-minute requests to write recommendation letters. Choose your LOR recommender wisely

Make a rough list of 4–5 professors you’d like to write your recommendation. Create two tiers. Tier 1 would be professors that you have interacted with favorably and who have taught classes you have taken and in which you earned good grades. Here, you’re going after deep interactions with your recommender. Therefore, an upper-level university course professor in your major or area of interest or maybe a high school coach you spent lots of time with would be good options.

Tier 2 could perhaps be a professor who taught a well-attended “101 class” where you received a good grade. These types of professors typically write “form letter” recommendations that aren’t very personal or convincing, but this can be mitigated by our sample template below.

Make a formal request and provide all the necessary information.

Remember our theme: You are putting yourself in the best situation for success by doing the work for your recommender. “Help me help you” should be your motto.

  • Who you are (name, major)
  • Which classes you took with this professor or teacher
  • Grades you received in those classes

Dear Admissions Committee,  As Lila’s eleventh grade AP Language teacher, I’m eager to take this opportunity to convey what makes her such an exceptional student and classmate.  Her academic record in my class speaks for itself, but what I’d like to highlight is the uniquely passionate and incisive nature of her class contributions. I still remember (though this was last year) a class discussion of Martin Dressler by Steven Millhauser . While many students contributed meaningfully, I still distinctly recall Lila’s vociferous and insightful argument that Dressler’s character embodied everything wrong with the acquisitive, me-first mindset of deregulated business. Not everyone agreed, of course, but the energy behind her contribution sparked an intense class discussion that was one of the best of the year. Perhaps no less important was Lila’s openness to hearing other students’ opinions, even ultimately allowing her own perspective to change. There are three key things to notice with this first sample. 

  • First, it references a specific way that the student had an effect on the life of the classroom.
  • Second, it connects that instance in class with who Lila is overall as a student and thinker. 
  • Third, it connects both of these elements with who Lila will be in college, and with what she wants to pursue. 

Combining these three factors is what makes an excellent letter of recommendation. It shows the college that this student really had an impact on the class and the teacher. Importantly, it goes far beyond the generic letter of recommendation, standing out from the rest.

Dear Admissions Officers,  From the first week of my AP Biology class this year, it was clear how much Sanjit loved the material. During each of our class discussions, he’d raise questions that went beyond just clarification, connecting our subject matter with real-world issues he’d been following. While most students were content to take notes and answer the questions I posed, Sanjit was always looking to explore the links between what was in the textbook and what was happening in the wider world, whether in politics or in new studies on human health and longevity he’d been following.  What most impressed me beyond his drive and desire to explore was how committed he was to helping other students find that same passion. During our labs this past year, Sanjit always prioritized helping his group members–and even the members of other groups–fine-tune their experiments. Indeed, during especially complex labs, I’d often find myself helping one group while another turned to Sanjit for assistance.  He never did this to show off or prove something: what Sanjit exuded was a real passion and love for the material. In our class discussions, labs, and optional after-school review sessions, he constantly sought to use what we learned as the foundation for broader, more systemic explorations, even mentioning his desire to conduct independent research over the next summer.  It really is a pleasure to hear that Sanjit plans to continue pursuing his talent for biology and to follow that talent all the way to medical school. While the focus may be different, the ultimate upshot is clear: Sanjit is a student who impressed his teacher so much that she remembers specific ways he went above and beyond in the class. 

Note that it isn’t just about what Sanjit does for himself: the letter makes a point of showing how Sanjit was always there to help other students (without being a know-it-all or teacher’s pet).

To whom it may concern,  Hearing that William plans to study French was tremendously gratifying. While I’m happy anytime one of my students plans to continue their French study at the college level, William was a special case. From what I know of his academic success, he excelled in most subjects, and I know he was quite torn between what field he really wanted to pursue. I never push my students one way or another, but I can tell you that William is the kind of student who will profoundly change every French class he enters.  His language ability is, of course, fantastic, but that isn’t what makes him a great French student. During our classes, he showed a real fascination with the history, culture, and especially literature of Francophone countries. While most students saw the books and poetry we read in AP French as ways of learning the language, William always wanted to explore the texts themselves. In particular, he was fascinated by how the study of French language was connected with the history of French colonization. Reading The Stranger by Camus, William was the only student in class to quickly see the text’s connections to the French occupation of Algeria. He quickly became interested in the complexities inherent in speaking the language of an occupying country, and threw himself into research outside the classroom that he’d frequently integrate into our discussions.  The short essay he wrote on our final exam was one of the best I’ve read in twenty years of teaching, especially in his ability to explore sophisticated and nuanced ideas in a foreign language. It’s clear to me that William doesn’t just have the technical facility to learn and study French language and culture: he has that rare creative instinct that allows him to make wholly original contributions to the field.  Sincerely,  —

  • Did they open your eyes to something new that stuck with you? 
  • Did their class influence your choice of major or career?
  • If not, did the class affect how you see yourself as a student and thinker?
  • Can you find a connection between your major and the teacher’s class?

Not only will your teacher love hearing this (flattery always works!), but it’ll give them ideas for things they could mention in their letter. Instead of just talking about what a good student you are, they can draw on specific examples that you bring up in your conversation. 

Another option is to simply send the recommendation letter writer a short email where you describe why you’re asking them for a letter and what you gained from the class. 

The more specific you are, the easier it’ll be for them to write you a great letter!

How Much Do College Recommendation Letters Matter?

The key to a strong college application is understanding the 3 pillars of a successful college application . In a nutshell, these are the three key elements by which admissions committees will evaluate you:

  • Academic achievement
  • Extracurricular distinction
  • Character and personal qualities

While these overlap a little bit, here’s an easy way to understand them. 

Academic achievement is conveyed by your grades, test scores, and the rigor of your curriculum. 

Extracurricular distinction is conveyed by your achievements in the various activities you’ve been involved with. 

Character is conveyed in your essays and letters of recommendation. 

Often, it’s character that makes the difference between a good application and a great one–especially at top tier universities like Ivies!

Note that the letter of recommendation is not there to highlight your academic achievement. Why? Because college admissions committees already have your grades and transcript! 

Instead, the recommendation letter should highlight your personal attributes. What kind of student and classmate are you? How do you contribute to the intellectual life of a school? What makes you the kind of person a professor would want to have in their class?

For a successful college application, it’s crucial that all three pillars come together. Because character is primarily conveyed in your essays and recommendation letters, you don’t have many opportunities to really convey this to elite college admissions committees. 

The data bears this out. By looking at the Common Data Set for elite universities, we identified how elite colleges like Princeton prioritize letters of recommendation.

Each school ranks the elements of a college application in one of four categories: 

  • Very important
  • Not considered

At Princeton, for example, the letters of recommendation are considered “very important,” just like test scores and grades!

At Yale, letters of recommendation are also considered “very important,” whereas standardized test scores are only “considered.” 

At Dartmouth, letters of recommendation are, once again, considered “very important.”

Are you picking up on the pattern yet? It might be easy to think of college recommendation letters as a tiny part of your application, but nearly every elite university considers letters of recommendation a very important part of your application! 

What Makes a Good Letter of Recommendation for College?

So, with all that in mind, we can now identify a little more precisely what makes a good college recommendation letter. 

A compelling letter of recommendation for college:

  • Avoids generic phrases and claims. 
  • Uses specific examples to explain how you stood out in the class. 
  • Focuses on your character, not your grades. 

The criteria for a strong letter of recommendation are simple, but in our experience, the vast majority of recommendation letters fail this test!

You won’t be able to see your recommendation letter, but you can affect what information your letter writer uses. Make sure to give them the kind of detailed, specific information that aligns with those three bullet points, focusing on instances where you really demonstrated your character in the class.

Who to Ask for College recommendation Letters

Our advice here is simple, but serious. 

First, make sure you ask two teachers for your academic recommendation letters, then ask a third person to write your non-academic recommendation letter (which most schools also accept).

This third recommender can be a bit more flexible: a supervisor at work, a sports coach, or the coach of an extracurricular activity you’re involved with are all great options. 

For the two academic recommenders, pick teachers who know you best. These should be teachers you’ve had recently: don’t pick a teacher from freshman year, since that really won’t be telling college admissions committees much about your character now. 

You should also pick teachers in subjects that align with your planned area of study. If you’re going all in on a STEM field, you’re best off picking teachers whose letters can support the narrative of you as an exceptional scientific and mathematical thinker. 

If you’re more humanities focused, you’ll definitely want one letter from a teacher whose class was writing-intensive. For the second letter, you might want to think about what complements your overall story. Don’t just go for another humanities class: think about what other interests drive you, and pick a teacher who can speak to that passion. 

More than anything, however, the critical question is which teachers can best speak to your personal attributes now . Pick those teachers, speak to them, and you’ll be likely to get a great recommendation letter like the one in our free sample here . 

When to Ask for College recommendation Letters

The earlier, the better! It’s as simple as that. Once you’ve settled on your recommenders and had your conversations with them, ask them to draft your recommendation letters. 

You should do this before the summer break after your junior year. You’ll want your recommendation letters done by the end of summer. Once this pushes on into the fall, your letter-writers will be flooded with requests, and the quality of your letter will suffer.

Speak to your teachers before summer vacation, and set a clear deadline while being respectful. Make it clear that you’ll be applying to programs early, and you’d really appreciate the letter being done by the end of the summer. 

In most cases, the teachers will appreciate this themselves. If a teacher tells you that’s impossible, make sure to respect their decision, and simply ask what timeline works for them. 

In general, however, set the end of summer as the deadline for your recommendation letters.

School counselors play a huge role in helping students get into college. Not only do counselors support students in laying the groundwork for their applications through class selection and extracurricular involvement, but they also provide them with the very important counselor letter of recommendation.

What Makes for a Great Letter of Recommendation?

The best counselor recommendation letters illuminate a student's intellectual and personal qualities. They speak to the student's strengths and goals for the future, as well as show how she's grown over her years in high school. While teachers can discuss a student's performance in the classroom, school counselors may focus more on the student's personal strengths and how she's contributed to the school community.

Strong recommendations are focused and highlight the key characteristics of a student. These recommendation letter examples, therefore, focus on a few main themes. The first highlights a student's contribution to her community, the second focuses on a student's special talent, and the third talks about a student's unusual maturity. Dear Admissions Committee,

It is my pleasure to recommend Noah for admission to your undergraduate program. As his school counselor for the past four years, I have witnessed the exceptional contributions that Noah has made to our school community. Not only is he an excellent and hard-working student, but he has dedicated himself to enriching the lives of students and faculty around him. Noah is truly special for his compassion and commitment to helping others.

Noah has committed himself specifically to bringing mental health awareness to the school. After enduring the tragedy of losing a family member to suicide, Noah devoted himself to bringing greater education about mental health into the curriculum. He said that he wanted to break the stigma around these discussions. Noah found a branch of the Mental Health Foundation's Live Laugh Love Club at the school. Noah has helped bring in speakers to address the school as a whole, held events, and led campaigns about the devastating effects of bullying. Letter Example #2: Highlighting Special Talent or Skill

I am excited to provide this letter of recommendation for Brett, or should I say Hamlet, John Proctor, or Erik (of Phantom of the Opera lore)? Brett has established himself as a bit of a theater star in these parts, where he's made our fall dramas and spring musicals come to life in his moving and memorable starring roles. Outside of school, Brett is also involved in the local theater group. Brett is an incredible actor with contagious enthusiasm and a passion for storytelling. He has my highest recommendation for admission into your theater program.

For Brett, theater is as essential to his day to day life as breathing. He has been passionate about creating characters and singing his whole life and was involved in school plays throughout middle and high school. He is deeply committed to his craft, having taken acting classes and singing lessons and been involved in local theater groups for most of his life. Brett has an incredible stage presence and equally excels at comedic and dramatic roles. Not only does he give subtle, nuanced performances in which he disappears entirely into his character, he also has an incredible singing voice and is involved in the school chorus. While he is certainly a talented individual, Brett doesn't rest on his natural gifts. He has put in countless hours to improving his craft.

Brett especially excels in his English and history classes, which he says are his favorites for the stories and insights into human nature. He reads widely, which he told me helps him get a more complex sense of people's characters, feelings, and motivations. Outside of the classroom, Brett volunteers with DramaMatters Afterschool at the Boys and Girls Club, working with children to help them express themselves through the arts. He has said that performing has helped him gain a greater understanding of himself and others and build his self-confidence. He loves having the opportunity to bring that experience to the kids he works with. Brett is enthusiastic, fun, sensitive, and driven. He's been a delightful presence both in and out of the classroom.

Everyone here at Lincoln High School, myself included, is excited to see Brett continue to commit himself to the study and performance of theater. Like in the first letter, this second example casts a strong vote of support for the student. How does Ms. Pepper choose to present Brett to admissions officers?

Ms. Pepper emphasizes that Brett doesn't rest on his laurels and natural talents, but rather is hard-working and committed to improving as a performer, qualities that are likely to impress admissions officers.

She emphasizes his passion for theater, along with his excellence in English and history. By sharing examples of his starring roles and work with the Boys and Girls Club, Ms. Pepper gives a dynamic sense of who Brett is as a student, actor, and volunteer.

It is with great pleasure that I write this letter of recommendation for the truly exceptional Laila. It is rare to meet a student with as much compassion and self-awareness as Laila. Her resilience, positivity, and humor are especially astounding given the challenges she has overcome in her life. As a refugee of war, Laila's strength of character has not only helped her adapt to a new home, culture, and language, but it also serves as an education and inspiration to others. Given the depth of her experiences and her sophisticated understanding of world events, Laila has an unusual maturity beyond her 17 years.

Laila experienced the violence and upheaval of war in her home country of Syria. Her family lost their business and home before moving to the U.S. with the help of the UN. Her extended family remains in her home country, often off the grid of communication. Throughout these unstable and uncertain times, Laila tirelessly committed herself to her education while balancing part-time jobs to help support her family. She spoke little English upon arriving here in 9th grade, and immediately dedicated herself to studying English and conversing with her peers. Now she is not only fluent, but also a gifted storyteller. She promotes dialogues as president of our school's Arabic Club, and she strongly believes in the power of education to create peace and reduce inequity.

I'm truly amazed with all that Laila has accomplished, and I feel that she is one of our most determined, caring, and balanced students. This letter focuses on Laila's strength of character, capacity to adapt, and mature perspective on the world around her. How does Ms. Wolfe choose to present Laila in her letter of recommendation?

Ms. Wolfe is clearly very impressed with Laila's resilience, adaptability, and sophisticated world view. She shares her personal story to give insight into how astonishing her success has been, in terms of acquiring English quickly, adjusting to a new culture and way of life, and educating others at the school through Arabic Club.

Just as in Noah's letter, it's appropriate for Ms. Wolfe to share Laila's personal story to give insight into who she is and the hardship she has experienced. Also like the other letters, this one uses enthusiastic, glowing language and specific examples to demonstrate Laila's strength of character.

While Laila's story may be somewhat rare, many counselors may focus on a student's unusual maturity for her age. This can be an impressive quality to admissions officers, especially if the student has a strong sense of direction or purpose.

Discussing this also adds a dimension to the student's application that may or may not be present elsewhere. It reveals something important about the student and helps present a fuller version of who she is and what she'll accomplish at college. If a recommendation letter communicates this, then it has done its job.

All of these letters share certain features that make them strong recommendations. Let's review what techniques the writers use, along with any other ones that can make a recommendation letter stand out.

What Makes a Recommendation Letter Stand Out?

Strong recommendation letters sound warm, genuine, and enthusiastic. They state strong support with phrases like "highly recommend" or "it's my pleasure to recommend," like in the examples above.

They tend to have a distilled theme and focus, rather than listing everything about a student. Strong letters also contain examples to back up their assessment, as well as demonstrate that the recommender knows the student well and is qualified to assess her.

If a student is applying to a specific program, major, or selective school , then it can further strengthen the letter to customize it, as in Brett's recommendation for acting school. If you, as the counselor, know something about the program or perhaps attended it yourself, then you could also speak about what a good fit the student would be.

It can be tough for counselors to get to know all their students well, since many work with hundreds of students. To help personalize the recommendation letter, counselors and students should meet, discuss the "brag sheet," and talk about what should go into the letter.

While students may not see the ultimate letter that gets written, they can still have a lot of input by getting to know their counselor and sharing their interests, accomplishments, and goals. Then they can help their counselor write a strong, insightful, and genuine letter for their college applications.

Letters of recommendation are critical to a strong business school application but securing a good one requires some effort from MBA applicants.

Knowing what a strong recommendation letter should look like, and who to ask for your personal reference letter, will stand you in good stead for this part of the process.

Why is a letter of recommendation needed for a student's application?

A letter of recommendation simply demonstrates to an admissions officer that you are a highly professional, well-regarded, individual who would be ready for the rigorous nature of a business school program.

Courtney Elmes, interim associate dean at California State University, says: "Think of the letter of recommendation as a guarantor of your success at business school, helping your target business school see your true potential as an applicant and professional.

"The professional recommendation allows us to gain a glimpse into your character and what makes you unique – to hear stories that provide a different perspective and that round out your application. All of that makes the MBA recommendation letter very important,"

The recommendation letter comes as an addition to your own letter that you will write for the business school application, which might be a personal statement, essay, or both.

Look at recommendation letter specific examples and recommendation templates

There's no one-size-fits-all approach to the recommendation letter but there are a few ways you maximize your chances of success. One way to make the process a lot easier is by gaining access to a recommendation template or recommendation sample letter.

The Graduate Management Admission Council™ (GMAC™), the makers of the GMAT™ exam, collaborated with a group of leading business schools to help develop a new set of “common” questions, with one goal in mind: to make requesting letters of recommendation easier for both the person writing the professional letter and the student.

The Common Letter of Recommendation (LOR) free template saves valuable time, providing a single, common set of questions. This approach allows letter writers to use the same responses for multiple letter submissions, alleviating the workload if applying for multiple schools.

The Common Letter of Recommendation form has three sections, covering the key letter of recommendation questions that schools require from the student.

Section 1: Personal information about the letter writer

This is where the person writing the recommendation letter identifies themselves and their relationship to the student.

Section 2: Leadership assessment grid of candidate

This section is divided into five categories, each identified for the way they help assess the candidate against 16 traits and competencies—such as influence, achievement, and cognitive abilities.

Section 3: Letter of recommendation questions

This essay-style section provides three prompts which must be answered in 500 words or less.

  • Please provide a brief description of your interaction with the applicant and, if applicable, the applicant’s role in your organization. (Recommended word count: 50 words).

Please provide specific examples.  (Recommended word count: 500 words).

  • Describe the most important piece of constructive feedback you have given the applicant. Please detail the circumstances and the applicant’s response. (Recommended word count: 500 words).

There is a final open-ended question, “Is there anything else we should know?” that is optional and has no word count limit.

All responses can include specific examples or information about the student's work ethic, position, skills, and qualities. The recommender may wish to focus the letter on one example or home in on a few areas about your hard work and positive attitude.

General instructions for submitting the Common Letter of Recommendation

Select the right person to write the letter of recommendation

While an academic letter of recommendation is an asset to a graduate school candidate, your business school letter of recommendation should come from a professional. As our experts suggest , your ideal letter of recommendation would be from someone directly above you in the organization who has worked with you in a professional environment for at least one year, and can easily discuss how you fulfill your job description.

These professional contacts can best attest to the characteristics and competencies that make you a successful leader.

The person writing the letter could be your employer, such as a hiring manager or someone else in a position that's senior to you.

Remember, you shouldn't write the letter of recommendation yourself. You should also avoid choosing someone just because they have an impressive title, such as CEO, if this individual doesn't know you know you well or is unable to provide key information and details about your position and performance.

Request your recommendation letter in advance

The best way to ensure that your recommender writes a strong recommendation letter is by asking well in advance. A rushed request for a letter of recommendation is likely to lead to a letter that does not sufficiently emphasize your great qualities and skills.

Give your nominated person enough time – at least one to two months – to give you a thoughtful and sincere business school letter of recommendation that's signed off in good time before the deadline.

It’s also more effective to make an in-person request for your reference letter. Grab lunch or coffee with them so you can express why you’re excited about applying to graduate business school, and candidly discuss your strengths and weaknesses.

Sameer Kamat, founder of MBA Crystal Ball, says: “Instead of looking at the resume, essays and reference letters as standalone components, thinking of them as pieces of a bigger jigsaw puzzle can help. This would help the applicant plan the entire application in advance, instead of assuming that a sharp and coherent picture will appear magically at the end.”

Asking for your letter of recommendation in good time also allows the recommender enough time to ask further questions about the process. It can also help to provide your recommender with a clear deadline that's mindful of the individual's busy schedule.

Provide supporting materials for your personal reference letter

Give your recommender other materials that will accompany your MBA application, such as your MBA resume and application essay.

Provide as much guidance on the letter of recommendation process as possible by including a common LOR template  that conveniently includes all the elements your business school letter of recommendation needs. Also, encourage them to give specific examples or anecdotes that promote your strengths and leadership qualities.

Remember, the more information you give to your recommender, the more likely you will receive a recommendation letter that touches on all the key points. It's important to not overwhelm, however  – providing a one-page letter is sufficient.

Express your gratitude to the writer of your professional letter

Remember, these are busy people and the time they give you is valuable. Reciprocate that by taking the time to acknowledge their efforts. Reference letters are just what they sound like: a testimonial about a person’s professional qualifications, abilities, and achievements. They’re written by someone who knows the applicant well and can speak to specifics about their career.

These days, most jobs don’t require reference letters since employers perform reference checks themselves. However, academia is different. Many teaching jobs require candidates to submit written letters of reference as part of their application packet. This is just one part of their overall evaluation of a candidate, of course. But these letters remain a key part of many teachers’ job searches.

Review Reference Letter Samples

If you’ve never written a reference letter or you want to up your game, take a look at some samples first. One of our favorite ways to do it is to use AI like ChatGPT to generate some reference letter samples specific to your situation. You definitely don’t want to copy these word-for-word, but you might find some helpful phrases or get a better idea of the format you should use. We’ve included some sample letters below too.

Brainstorm Ideas First

Before you begin writing, do a quick brainstorming session and jot down your thoughts about these prompts:

  • What three words first come to mind when you think of this teacher?
  • List this person’s biggest strengths as an educator.
  • List a few times when this teacher really impressed you.
  • Has this person won any awards or accolades worth mentioning?
  • What makes this teacher special compared to their peers?
  • What would this teacher’s students say about them? What about parents or co-workers? (If you have examples, round them up to include in the letter.)

Personalize the Letter

If you can, try to write a letter that’s specific to the job the teacher needs a reference letter for. Find out what they’ll be doing in their new role or position so you can include the most relevant qualities in your recommendation. Some reference letters are more general, so it’s OK if you can’t personalize them to the job.

Ask the teacher if there’s anything specific they’d like you to mention. You may also ask if there’s anything they’d prefer to keep confidential. For instance, if the teacher has a disability, they may not want to disclose that information yet.

Write an Introduction

Introduce yourself and explain your relationship to the teacher you’re providing a reference for. Include information such as how long you’ve known them and whether you’re speaking as a colleague, coworker, mentor, or supervisor.

Verify Their Qualifications and Experience

In the next paragraph, speak to the teacher’s education, including any special certifications or professional development achievements. Mention any awards, honors, or accolades they’ve earned. You can keep this section fairly short; the teacher has likely listed all of this on their CV already. Your reference letter will just help verify these qualifications.

Highlight Their Best Qualities

In the body of your letter, write two or three paragraphs that really help identify what makes this teacher special. Don’t try to squeeze in everything you know; instead, think about what really helps the person you’re recommending stand out. For each paragraph, focus on one of these areas (or other relevant topics), choosing the two or three overall that seem most important for this person.

  • Subject matter knowledge and expertise
  • Pedagogy skills
  • Student and/or parent relationships
  • Professional development
  • Community relations
  • Communication skills
  • Leadership roles
  • School pride and loyalty
  • Personal traits, such as passion, enthusiasm, dedication, creativity, etc.

Provide Specific Examples and Anecdotes

This is where you really have the chance to make your letter valuable to the candidate. It’s easy to describe a person as “passionate about recognizing diversity” or “excellent at differentiating learning.” Without examples, though, these are just words. Try to anchor each quality you mention with specific examples or anecdotes that back up those words. Here are a couple of examples:

  • “Alana is passionate about recognizing and celebrating diversity in her classroom. She frequently draws on her strong community relationships to bring diverse speakers and cultural activities to her classroom. Last fall, she organized an incredibly popular school-wide Diversity Fair where students and their families were encouraged to share their own cultures and experiences and learn from each other. One parent noted, ‘I’ve lived in this community for three years, but this is the first time I really feel like I know my neighbors.’”
  • “One of Jamie’s strongest qualities is their ability to differentiate learning for their students. They’re always willing to determine what’s keeping a student from doing their best and finding new ways to overcome challenges. For instance, Jamie was instrumental in helping our school implement text-to-speech software that assists struggling readers and those who have visual impairment. This leveled the playing field in their history and geography classes, helping students focus on the subject at hand instead of spending too much time deciphering text.”

Conclude With a Strong Endorsement

You’ve come all this way, so don’t fall short at the very end! This is the time to state your personal recommendation in no uncertain terms. Sum up your major points, and offer to provide more information if needed.

  • “I’m pleased to recommend Alana Whitmore for an elementary teaching position at your school. Her commitment to diversity, creative classroom approaches, and compassion for students and fellow coworkers would make her an excellent addition to any education team. If you want to discuss her qualifications further, don’t hesitate to contact me.”

Write Professionally and Proofread Carefully

This is a business communication, so strive for a professional but warm tone overall. If it’s a paper letter, use the standard business letter format (on your school letterhead if you’re an administrator). In an email, be sure your signature includes contact information such as a phone number and school address.

Don’t forget to proofread! A letter riddled with spelling errors and grammar mistakes is unlikely to hold much sway with a hiring committee or selection panel. Use a program like Grammarly to help you edit your letter until you’re satisfied with the final version.

I am writing to enthusiastically recommend Alana Whitmore for any opportunity that may arise that aligns with her exceptional skills and dedication as an elementary school teacher. 4 Tips to Complete College Applications on Time

W ith multiple components and deadlines, the college application process can be daunting for some students. Since prospective students are often juggling college applications alongside high school classes and activities, experts say it's easy to fall behind or procrastinate.

"Procrastination is a stress response, and it makes sense that some students who are anxious about the college process will avoid working on their applications in a timely fashion," Angela Warfield, principal consultant and founder of admissions consulting firm Compass Academics, wrote in an email.

"This can become a real problem if students wait too long to request transcripts, test score reports or letters of recommendation. Since the students need to rely on other people to submit these materials, they need to make sure to give those people as much time as possible to get those materials in before deadlines."

There are some exceptions where applications are accepted later, and schools that offer rolling admissions may be good last-minute options for students. But May 1 has traditionally been the decision deadline across higher education, even earning the name "College Decision Day," so students typically need to follow that timeline. If a student is applying for early decision or early action , there will be even earlier deadlines to submit application materials.

A well-thought-out plan, anchored by a few organizational tips, can keep students on track with college applications. Here are four tips that experts say students can follow to complete their college applications on time.

  • Start planning early.
  • Create a detailed checklist.
  • Ask for recommendation letters early.
  • Budget time for application essays.

Start Planning Early

Because there are multiple steps involved in applying to college, many of which require help from other people, experts say the most foolproof method to alleviate anxiety is to start early.

The Common App , which is used by more than 1,000 schools, opens Aug. 1 each year, meaning students can't officially submit applications through the platform until then. But those looking to get a head start can create an account during their junior year and get familiar with the platform, says Denard Jones, lead college counselor at Empowerly, a college admissions consulting company.

And though it may not be as fun as relaxing by the pool or hanging out with friends, students would be wise to use the the summer months ahead of senior year – when they have no academic obligations – to begin or complete college application tasks, such as completing any write-ups for the extracurricular or activities section , experts say.

Otherwise, "it makes the fall of your senior year that much more hard,” Jones says. “Because you still have to do academic work, you still have to go through the semester, and now you’re trying to pull all this information together."

Create a Detailed Checklist

Keeping track of the various application requirements and deadlines can be streamlined with a checklist. School counselors and independent college counselors can typically provide students with a checklist, and the College Board also provides a list for students and parents to use.

Universities also typically have an application checklist on their website, which may include directions or items specific to them.

If applying to multiple colleges, students and parents may also want to create a master spreadsheet or other document to keep track of deadlines and when parts of the application are complete. Setting up reminders on a digital calendar for important dates can also help, experts say.

"Dates to consider include: application deadlines, testing date/score submissions deadlines, dates for recommenders to submit letters of support and important scholarship deadlines," Warfield says.

Ask for Recommendation Letters Early

Letters of recommendation from teachers, school counselors and other sources are important to providing college admissions officers deeper context and colorful details about applicants. Like personal essays, they can help humanize applicants and give schools an idea of whether a student would succeed academically or fit in socially within their campus culture.

A strong recommendation can tip the scales in a student's favor, especially in situations where there are academic blemishes. A weak or vague letter may reflect poorly and cause an application to stand out for the wrong reasons, experts say.

Students should choose the right people to write letters, such as teachers or counselors who know them best. It's equally important to give recommendation writers enough notice so they aren't asked to craft a hastily written letter.

Richard Tench, a school counselor at St. Albans High School in West Virginia, suggests giving recommenders at least two weeks to complete the letter, but in some cases it may be wise to ask even earlier.

“That will provide them the time to say yes or no," he says, "but that also provides them the time to think about it and write a comprehensive letter."

Some teachers are pressed for time and commit to writing a limited number of recommendation letters each year. Once those spots are booked, students shouldn't be surprised if their request is denied. This could force students to pivot to a recommender who doesn't know them as well.

“The more time you give a recommender to write, the better," Jones says. "That way, hopefully it won’t be this template that’s just cut and paste and doesn’t really help the admissions offices much."

Budget Time for Application Essays

Personal statements are often the most time-consuming and stressful part of the application process, Warfield says. But this is another area where students can get a head start during their junior year or the summer before their senior year.

The Common App typically announces essay questions for the upcoming application cycle in January or February, giving students ample time to prepare for or begin writing the essays. Warfield recommends students begin working on essays in early June, ahead of their senior year, which allows more time to edit and perfect their essays with peers or trusted mentors.

Schools that require supplemental essays vary on when those prompts are announced, but Warfield says students should start on them as early as possible and "work smarter, not harder" when completing them.

"Look for similar themes and questions where your answers aren’t likely to change," such as what you want to major in or what community means to you, she says. "You can revise these essays to be school-specific, but not completely rewrite them. Don’t duplicate your efforts."

Starting on essays early can be particularly helpful for students who struggle or need additional assistance with writing the essay, she says, adding that students who procrastinate may be tempted to rely on another person or an artificial intelligence tool such as ChatGPT to write their essay. While some colleges are using AI in admissions, colleges expect the personal statement to be a student's authentic writing.

"As someone who’s evaluated student writing for 30 years, it is not that hard to spot an AI-generated college essay," Warfield says. "If students try to use AI as a shortcut, colleges use AI detectors and seasoned admissions readers to detect derivative material."

This could be anything created by AI technology, and use of such language in essays could harm an applicant's admissions chances, experts say.

The headlines shouldn’t deter you from moving ahead with the application process. Although it might feel seem like there’s more competition than ever before, it’s important to remember two things: Acceptance rates vary among colleges, and most colleges accept two-thirds of applicants. For example, Harvard received applications from 61,220 students in 2022─the highest-ever number of applicants to the school. Of those, only 1,214 received admission, leading to the school’s lowest-ever acceptance rate of 3.19%.

This illustrates the point earlier that college acceptance rates are on a decline as the number of applicants increases, saturating the pool with more competition than ever before.

Acceptance rates are based on the number of spots available at a college. This is a set number of applicants who can be admitted to that class of graduates, and it's not subject to change based on the volume of applicants. As you can imagine, more competitive schools, such as Ivy League colleges and universities, have fewer spots available and are thus affected more by the number of applicants.

This same logic applies to private and public colleges. Public colleges, which are characteristically larger institutions, will admit greater numbers of students, leading to higher acceptance rates. However, public colleges have also been impacted by a larger number of applicants. When you’re building your college list, it’s advisable to include a balance of reach, match, and safety schools to improve your chances of acceptance.

It's important to keep in mind that college admission rates don’t necessarily reflect the quality of education or the quality of students who apply, and you shouldn’t be discouraged from applying to schools based on these numbers.

What is the Difference Between Admission Yield and Enrollment Rate?

Admission yield is the percentage of students who accepted enrollment into a college after being granted admission. These vary significantly from school to school. For example, the University of California, Berkeley’s yield rate for 2022 was just 40% while the yield rate for Yale was a whopping 83%.

As students apply to greater numbers of colleges and have more options, yield rates decline.

Students faced competitive acceptance rates in 2022. Common Application public colleges and universities saw a 24% surge of applicants since 2019-20 and 17% for private institutions. Meanwhile, the acceptance rates continue to decline. For example, Emory University’s acceptance rate fell 8 percentage points between 2020 and 2022.

Students who are eyeing colleges with highly competitive acceptance rates must focus more than ever on the things that will set them apart: exceptional performance beyond the standard core curriculum, strong extracurricular participation, powerful application essays, letters of recommendation, and excellent standardized test scores. However, even with all of these differentiators, it’s important to remember that none of these can guarantee acceptance, especially at selective institutions. Be sure to build a balanced college list that gives you options.

Admissions Requirements

  • A baccalaureate degree in engineering or a related technical field, such as math, physics, behavioral sciences or health sciences. Appropriate academic background varies by graduate specialization.
  • A minimum grade point average of 3.0 (on a scale of 4.0) for all undergraduate work undertaken during the last two years of the applicant's studies. 
  • GRE scores are optional for both MS and ME program admissions.
  • We will also consider demonstrated practical engineering experience and demonstrated leadership skills

In addition to the above requirements, each entering student is expected to be skilled in a number of specific areas. Proficiency is required in mathematics through the level of multivariate calculus, probability and statistics considered from a calculus point of view, and computer programming. These requirements must be satisfied prior to admission. Students whose backgrounds have not adequately prepared them to enter the graduate curriculum directly may be asked to take appropriate undergraduate courses. Credit for these courses will not be applied toward the minimum number of hours required for the MS/ME degrees. In exceptional cases, the department may admit an applicant who does not meet all these requirements; in such cases, the department will set special performance criteria for continuing in the program.

Application Fee

A non-refundable application fee of $85 must be submitted for each graduate application before it will be reviewed. You can pay the application fee in your Application Status Portal via credit card. The link to pay your application fee will appear shortly after you submit your application. If you have an issue with your application fee, please contact [email protected] .

We do not offer application fee waivers for our programs. Only US Military/Veterans and their spouses and participants in special programs such as Americorps, McNair Scholars, EOP, HEOP, SEEK, or Project 1000 are eligible for an application fee waiver. Program participants must also be a US citizen or permanent resident. There are no exceptions. If you are eligible and requesting a waiver, please contact [email protected] with documentation of your military service or program participation.

Materials Checklist

Personal statement.

Your application package must include a brief statement of purpose describing your background and your academic and career goals. The Personal Statement can be typed into the space provided on the application or uploaded electronically to the application.

Transcripts

Unofficial copies of transcripts are to be uploaded to your online application. Official transcripts are not required at the time the application is submitted. If an applicant is accepted and decides to attend our program, official transcripts will be requested at that time.

Letters of Recommendation

Recommendation letters are  not required  for MS/ME applicants and are recommended only for students who do not have an undergraduate engineering degree or other exceptional circumstances.

While we will accept letters from professional sources, we strongly prefer three letters of recommendation from professors who are acquainted with your academic interests, achievements and abilities.

Requests for letters of recommendation will be emailed to your recommenders upon submitting your application form. Recommenders can submit their recommendations online. Once submitted, they are automatically uploaded to your online application.

Graduate Record Examination (GRE)

GRE scores are optional for MS and ME program admissions. Please note: the GRE may be required for some scholarship/fellowships.

English Language Proficiency

International applicants are required to provide proof of English proficiency. The exam results must be dated within two years from your proposed date of admission and remain valid upon entering the term for which you applied. The University at Buffalo has a minimum TOEFL score requirement of 550 (paper-based) or 79 (internet-based). On IELTS, UB requires an overall score of 6.5.

Sending ETS Scores Please send your GRE or TOEFL results to the University at Buffalo electronically from ETS by using institution code 2925 (no department codes necessary)

Information and arrangements to take the GRE and TOEFL exams can be made by contacting the Educational Testing Service (ETS) . It is strongly recommended to make test arrangements early in the year so sufficient time can be allowed for the results to be reported before our application deadline.

International Student Financial Form

All international applicants must submit a completed financial form. Answer all questions thoroughly. An I-20 cannot be issued without this form and supporting documentation showing necessary funds for each year of intended study (two years for a master's program; five years for a PhD program). Financial Aid

If you are interested in financial aid in the form of a teaching assistantship or research assistantship, please check the appropriate box on your application form.
