Once you have clicked on the “ Apps ” button, you will be taken to a new page in the window called “ Apps & features ”. Now, in this window, find the version of the “ Microsoft Office ” program installed on your computer and then select it using the mouse of your computer.

Step-4: Click on the “Uninstall” button

After you have selected the version of “ Microsoft Office ” installed on your computer, click on the “ Uninstall ” button, to the right of the “ Modify ” button.

This will open the “Uninstallation Wizard” on your screen. Follow the prompts of the “Uninstallation Wizard” and the “ Microsoft Office ” program will be uninstalled from your computer.

2c. Method 3 – Manually Uninstall Microsoft Office Using PowerShell 

To uninstall Microsoft Office from your computer using PowerShell, you have to open the Windows PowerShell app from the Start menu of your computer.

Follow the 3 steps given below, and you will be able to uninstall Microsoft Office from your computer using Windows PowerShell.

Step-1: Click on the “Run as Administrator” button

The first step of the process is to go to the “ Start ” menu of your computer and search for “ Windows PowerShell ”. Once you find it, click on the “ Open ” button. This will open a new window on the screen of your computer.

Step-2: Type in the command in the pop-up window

After you have clicked on the “ Run as Administrator ” button, a pop-up window will appear on your screen. You can write commands in the pop-up window.

Now all you have to do is to copy the command written within the quotation marks below and paste it on the pop-up window.

“Get-AppxPackage -name “Microsoft.Office.Desktop” | Remove-AppxPackage”

After that press the “ Enter ” key on the keyboard of your computer.

Step-3: Check if “Microsoft Office” was uninstalled

After you hit the “ Enter ” button on the keyboard of your computer, a new prompt will open. On the new prompt, which looks identical to the pop-up window, type in the following command written within the quotation marks below.

“Get-AppxPackage -name “Microsoft.Office.Desktop”

If you see that yet another prompt opens in the pop-up window and there is no additional information displayed there, then the Microsoft Office program has been uninstalled from your computer successfully.

2d. Method 4 – Using Uninstall Support Tool 

To uninstall Microsoft Office from your computer permanently using the Uninstall support tool, you have to download the support tool first. The whole process is described step-by-step below.

Step-1: Download the support tool

The first step of the process is to download the support tool that you will use to uninstall Microsoft Office from your computer. Click here to download the Microsoft Support tool.

Step-2: Select the “Install” button

After you have downloaded the Supporting tool installation file, open it by clicking on the “ Open file ” button from the browser of your computer.

After you have clicked on the “ Open file ” button, a pop-up window will appear on your screen. Click on the “ Install ” button located in the pop-up screen that appears on your screen.

Step-3: Follow the Uninstall Office support tool prompts

After the Uninstall Office support tool finishes installing in your computer, a pop-up window will appear on your screen. From that window, click on the “ Next ” button and then follow the prompt as it appears on your screen.

After the successful uninstallation of the Microsoft Office program, your computer will restart automatically.

Step-4: Finish the installation process

After your computer restarts, the Uninstall Office support tool will automatically pop up on your screen. Simply click on the “ Finish ” button and the Microsoft Office program will be uninstalled from your computer permanently until you reinstall it.

3. How to Uninstall PowerPoint on Mac?

To Uninstall PowerPoint on your Mac computer, you have to go to the finder navigation bar and then go to applications, select the PowerPoint file, and move it to the trash from the drop-down menu. The entire process is described in easy steps below.

Step-1: Go to the “Applications” section

The first step of this process is to go to the “Finder navigation bar” located on the left of the screen. In the “Finder navigation bar” , select the “ Application ” section.

Step-2: Select the Microsoft PowerPoint file

The process of uninstalling Microsoft office from your Mac 2011 is almost identical to uninstalling Microsoft PowerPoint from other versions of Mac computer.

The only difference is that instead of selecting the Microsoft PowerPoint file, you will have to select the Microsoft Office file. So, simply follow the steps described in the previous section of this article and select Microsoft Office instead of Microsoft PowerPoint.

This way you will be able to uninstall Microsoft Office from your Mac 2011 computer.  

3b. How to Completely Remove Office for Mac?

To completely remove Microsoft Office from your Mac computer, at first, you have to delete the Microsoft PowerPoint file, and then remove all the supporting files of Microsoft office that are present in your Mac computer. The entire process is described below.

Step-1: Remove Microsoft Office

The first step of the process is to delete Microsoft Office from your Mac computer. So, follow the process described in the previous section and select the Microsoft Office file from the Applications section and move it to trash.

Step-2: Go to the “Library” section

The second step of the process is to go to the “Library” of your Mac computer. To do this, all you have to do is to click on the “ Go ” tab and then select the “ Library ” option from the drop-down menu.

Step-3: Go to the “Container” folder

Once you have clicked on the “ Library ” option, a pop-up window will appear on your screen. From the “ Container ” folder, select all the files that start with ‘com.Microsoft’ and then move them to trash.

Step-4: Go to the “Group Container” folder

After you have deleted the files that start with ‘com.Microsoft’ from the “ Container ” folder, go back to the “ Library ” folder and then double click on the “ Group Container ” folder.

Step-5: Delete all the “Microsoft Office” files

By double-clicking on the “ Group Container ” folder, you will be taken to another page in the window. In this folder, select the following files and then move them to trash.

  • UBF8T346G9.Office
  • UBF8T346G9.OfficeOneDriveSyncIntegration
  • UBF8T346G9.OfficeOsfWebHost
  • UBF8T346G9.OneDriveStandaloneSuite

Step-6: Clear the Trash of your computer

Once you have deleted the Microsoft Office files from the “ Container ” and “ Group Container ” folder, all you have to do is clear the trash of your Mac computer and then Microsoft Office will be completely removed, and all the files Microsoft Office files will be deleted.

3c. How to Remove Office License Files on a Mac?

To remove Office License Files on your Mac computer, you have to download a license removal tool. The whole process is described in easy steps below.

Step-1: Download the License removal tool

The first step of the process is to download the license removal tool. You can download the license removal tool by clicking on this link .

Step-2: Install the License removal tool

Once you have downloaded the installation file, you to the “Download” folder of your Mac computer and open the “.pkg” file. After opening the installation file, a pop-up window will appear on your screen. Click on the “ Continue ” button and follow the prompts of the installation wizard.

Step-3: Remove Office License

After you have successfully installed the Office License Removal software, click on the “ Install ” button, when you’re ready to remove the Office License from your computer. After that, follow the prompt given on the Office License Removal Software and the license of the Microsoft Office in your Mac computer will be removed automatically.

Step-4: Uninstall the Office License Removal software

Once you have finished removing the license of the Microsoft PowerPoint in your computer, simply move the Office License Removal software to Trash and it will be uninstalled automatically.

4. How to Uninstall PowerPoint in Microsoft Office 365? 

Unfortunately, there is no way of uninstalling individual apps from the Microsoft 365 suite. However, if you download Microsoft 365 from the Microsoft store, only then you can delete individual apps from the Microsoft 365 suite.

So first, make sure that your version of the Microsoft 365 was downloaded from the Microsoft Store and then follow the steps described below.

Step-1: Go to the “Apps and Features” option

The first step of the process is to go to the “ Settings ” menu and navigate to the “ Apps ” section. From the “ Apps ” section, you will be able to find the “ Apps and Features ” option.

Step-2: Go to the “Advanced Options” section

The next step of this process is to find the “ Microsoft Office Desktop Apps” file from the “ Apps and Features ” option. After that click on the “ Microsoft Office Desktop Apps ” file, and then click on the “ Advanced Options ” button that appears after you click on the “ Microsoft Office Desktop Apps ” file.

Once you have clicked on the “ Advanced options ” button, you will be taken to another window. From this window, click on the “ Microsoft PowerPoint ” file and then click on the “ Uninstall ” button.

Once you have clicked on the “ Uninstall ” button, only Microsoft PowerPoint will be uninstalled from your computer without affecting the other apps in the Microsoft 365 suite.

5. How to Reinstall PowerPoint?

There are differences in the steps to install Microsoft PowerPoint for the different versions of Microsoft Office on your computer. In the section below, I will explain how to reinstall Microsoft Office on your computer depending on which version of the software you are trying to install. 

5a. How to Reinstall PowerPoint in Microsoft Office 365? 

To reinstall PowerPoint in your Microsoft Office 365 you have to reinstall the Microsoft 365 suite altogether. The process of reinstalling Microsoft 365 on your computer is explained in easy steps below.

Step-1: Get a Microsoft Office 365

The first step is to get hold of the Microsoft Office 365 application . Simply click on the link to purchase the application. You can buy it from the Office website as well, however, you will get the same product at a cheaper price using the link above.

Step-2: Enter the product key

You will receive the product key along with the invoice in your email. Make sure you check your email once the purchase is complete in order to receive the product key.

Then, when you will be prompted to enter the product key of your Microsoft Office software, simply enter the product key of the Microsoft Office 365 software and then hit the “ Next ” button.

Step-3: Open the Installation file

In this step, all you have to do is to go to the “ Download ” folder on your computer and open the installation file you downloaded from the Microsoft Office website.

This will open a prompt saying, “ Do you want to allow this app to make changes to your device? ”. When you see the prompt, click on the “ Yes ” button.

Step-4: Finish Installing Microsoft Office 365

Once you have selected the “ Yes ” button from the prompt, the installation process will begin automatically.

After the installation process is finished, another prompt will appear on your screen saying “ You’re all set! Office is installed now “.

When you see the prompt, click on the close button to finish the installation process.

5b. How to Reinstall PowerPoint in Microsoft Office 2016? 

To install the Microsoft Office 2016 version of Microsoft PowerPoint, you have to follow a very similar process used to install Microsoft office 365.

To do this, sign in using the account associated with your Microsoft Office 2016 software on the Microsoft Office website, and then go to the “ Service and Subscription ” option located at the top of the page.

From the drop-down menu, select the Microsoft PowerPoint product and the installation file will be downloaded to your computer. Every step after that is identical to installing Microsoft Office 365.

So, once you have downloaded the Microsoft PowerPoint file, follow the instructions given in the previous section, and the Microsoft Office 2016 version of PowerPoint will be added to your computer.

5c. How to Reinstall PowerPoint in Microsoft Office 2013? 

The process of reinstalling the Microsoft Office 2013 version of Microsoft PowerPoint is identical to reinstalling the Microsoft Office 2016 version of Microsoft PowerPoint. So, sign in to the Microsoft Office website using the Microsoft account associated with your Microsoft Office 2013 and follow the instructions described in the previous section. 

5d. How to Reinstall PowerPoint in Microsoft Office 2010? 

To install the Microsoft Office 2010 version of Microsoft PowerPoint, you’ll need to install the entire suite of Microsoft PowerPoint 2010 on your computer.

However, Microsoft Office 2010 is not supported anymore, and so you’ll need an installation disk and a product key to finish the process. The detail of this process is described in 5 easy steps below.

Step-1: Insert the Microsoft Office 2010 installation disk

To begin, you have to insert the Microsoft 2010 installation disk into your computer. After you insert the installation disk, the installation wizard should start immediately. If it doesn’t start automatically, double click on the “ Disc Drive ” which says “ SETUP.EXE ”

Step-2: Enter the Product key

After you have opened the “ SETUP.EXE ” installation file, you will be prompted to enter the Product key of the Microsoft Office 2010 software. Simply enter the product key in the input box prompt on your screen and then hit the “Continue” button.

Step-3: Read the Microsoft Software License Terms

After you have entered the product key of your Microsoft Office 2010 software, you will be prompted to read its terms and conditions. After that, checkmark on the “ I accept the terms of this agreement ” box and hit the “ Continue ” button

Step-4: finish the installation process

After you hit the “ Continue ” button, follow the prompt of the installation wizard to finish the installation process of Microsoft Office 2010. After the installation process is complete, click on the “ Close ” button.

Step-5: Activate Microsoft Office 2010

After you finish installing Microsoft Office 2010, the activation wizard pop-up window will appear on your screen. In the pop-up window, select the “ I want to activate the software over the internet ” option and then hit the next button.

Follow the Prompts of the Activation wizard and once the activation process completes, you will be able to use the Microsoft Office 2010 version of Microsoft PowerPoint on your computer.

5e. How to Reinstall PowerPoint in Microsoft Office on Mac? 

To reinstall Microsoft PowerPoint on your Mac computer, you have installed the Microsoft Office software. Sign in to the Microsoft Office website using the Microsoft account associated with Microsoft Office software, download the installation file and follow the simple process described below.

Step-1: Open the installation file

The first step of the process is to open the .pkg installation file from the “ Download ” folder of your computer. This will open a pop-up window.

Step-2: Follow the prompts of the installation wizard

After you have opened the installation file, follow the prompts such as agreeing to the terms and conditions, how you want to install the software, freeing up disk space or moving it to another drive, etc.

Step-3: Finish Installing Microsoft Office

In the last step, you will be asked to enter the login password of your Mac computer, then all you have to do is click “ Continue ” and when the installation process is finished hit the “ Close ” button and the Microsoft Office software will be installed in your mac computer.

6. Can You Reinstall Microsoft Office Without a Product Key?

You don’t need to enter a product key at the time of the installation process. So, you can reinstall Microsoft Office without a product key. However, you will need to enter the product once you have used the application about 25 times after installation!

So, if you are wondering whether you need a product key for the installation process? The answer is no. You don’t need a product key during the installation process.

Microsoft allows you to open PowerPoint and other applications from its suite about 25 times before you need to enter the product key to continue using it. If you don’t, the application will still continue to operate but with reduced functionalities.

However, if your question is do you need to enter the product key again since you are not installing it for the first time, the answer is most likely yes! Every time you install a Microsoft Office Product, you will need to install a product key or login to your Microsoft Account.

What to do If You Can’t Remember the Product Key?

I know it is hard to remember the product key for a product that you may perhaps have bought a few years ago! (Trust me, I’ve been through that!)

But, a few things that can help you remember the product key are as follows –

  • Your product key is a set of 25 alphanumeric characters in a random sequence.
  • Check for the CD case or the product package in which you received the Microsoft Office software.
  • Check if you received a certificate of authenticity within the box or from the store owner. Perhaps, you may have stored it safely and forgotten about it.
  • If you bought your Microsoft Office from an online store (like Amazon), you may have received the key on the invoice in your email.
  • If you are using a newer version of Microsoft Office, try logging into your Microsoft Account through any of the Microsoft Office application. For the most recent Microsoft Office applications (Office 2016 and above), your account is your product key.

With Microsoft PowerPoint speaker notes , you have your talking points handy during your presentation. But if you decide to remove those notes, it can be a tedious task. We'll show you how to remove the presentation notes all at once.

As a reminder, you can delete individual speaker notes easily. Open the presentation notes using the Notes button in the PowerPoint status bar or by clicking "Notes" in the ribbon on the View tab.

Go to the slide with the notes that you want to delete, click in the Notes area, and remove the text. You can do this quickly by selecting all of the text and hitting your Delete key.

While this is fine for deleting notes on a handful of slides, it can be time-consuming if you have dozens of slides. Here's how to remove them all in one fell swoop.

Click File > Info. Under Inspect Presentation, you'll see that your slideshow contains presentation notes.

Click the "Check for Issues" drop-down box in that section, and then select "Inspect Document."

You'll see many items that you can inspect your document for, so remember this convenient tool for those types of things later.

For this task, you'll only check the box for "Presentation Notes" at the bottom, and uncheck the rest. When you're ready, click "Inspect."

After a moment, you'll see the results letting you know that the presentation notes were found during the inspection. Click "Remove All."

And just like that, your presentation notes will be gone! You can hit "Close" if you're finished with the Inspect Document tool.

Click the arrow on the top left to return to your slideshow, and you should no longer have speaker notes on your slides.

If you want a copy of those notes before you remove them, you can always save a copy of your presentation beforehand. Or, you can print just the speaker notes for a Microsoft PowerPoint slideshow .

How To Get Free Access To Microsoft PowerPoint

E very time you need to present an overview of a plan or a report to a whole room of people, chances are you turn to Microsoft PowerPoint. And who doesn't? It's popular for its wide array of features that make creating effective presentations a walk in the park. PowerPoint comes with a host of keyboard shortcuts for easy navigation, subtitles and video recordings for your audience's benefit, and a variety of transitions, animations, and designs for better engagement.

But with these nifty features comes a hefty price tag. At the moment, the personal plan — which includes other Office apps — is at $69.99 a year. This might be the most budget-friendly option, especially if you plan to use the other Microsoft Office apps, too. Unfortunately, you can't buy PowerPoint alone, but there are a few workarounds you can use to get access to PowerPoint at no cost to you at all.

Method #1: Sign Up For A Free Microsoft Account On The Office Website

Microsoft offers a web-based version of PowerPoint completely free of charge to all users. Here's how you can access it:

  • Visit the Microsoft 365 page .
  • If you already have a free account with Microsoft, click Sign in. Otherwise, press "Sign up for the free version of Microsoft 365" to create a new account at no cost.
  • On the Office home page, select PowerPoint from the side panel on the left.
  • Click on "Blank presentation" to create your presentation from scratch, or pick your preferred free PowerPoint template from the options at the top (there's also a host of editable templates you can find on the Microsoft 365 Create site ).
  • Create your presentation as normal. Your edits will be saved automatically to your Microsoft OneDrive as long as you're connected to the internet.

It's important to keep in mind, though, that while you're free to use this web version of PowerPoint to create your slides and edit templates, there are certain features it doesn't have that you can find on the paid version. For instance, you can access only a handful of font styles and stock elements like images, videos, icons, and stickers. Designer is also available for use on up to three presentations per month only (it's unlimited for premium subscribers). When presenting, you won't find the Present Live and Always Use Subtitles options present in the paid plans. The biggest caveat of the free version is that it won't get any newly released features, unlike its premium counterparts.

Method #2: Install Microsoft 365 (Office) To Your Windows

Don't fancy working on your presentation in a browser? If you have a Windows computer with the Office 365 apps pre-installed or downloaded from a previous Office 365 trial, you can use the Microsoft 365 (Office) app instead. Unlike the individual Microsoft apps that you need to buy from the Microsoft Store, this one is free to download and use. Here's how to get free PowerPoint on the Microsoft 365 (Office) app:

  • Search for Microsoft 365 (Office) on the Microsoft Store app.
  • Install and open it.
  • Sign in with your Microsoft account. Alternatively, press "Create free account" if you don't have one yet.
  • Click on Create on the left side panel.
  • Select Presentation.
  • In the PowerPoint window that opens, log in using your account.
  • Press Accept on the "Free 5-day pass" section. This lets you use PowerPoint (and Word and Excel) for five days — free of charge and without having to input any payment information.
  • Create your presentation as usual. As you're using the desktop version, you can access the full features of PowerPoint, including the ability to present in Teams, export the presentation as a video file, translate the slides' content to a different language, and even work offline.

The only downside of this method is the time limit. Once the five days are up, you can no longer open the PowerPoint desktop app. However, all your files will still be accessible to you. If you saved them to OneDrive, you can continue editing them on the web app. If you saved them to your computer, you can upload them to OneDrive and edit them from there.

Method #3: Download The Microsoft PowerPoint App On Your Android Or iOS Device

If you're always on the move and need the flexibility of creating and editing presentations on your Android or iOS device, you'll be glad to know that PowerPoint is free and available for offline use on your mobile phones. But — of course, there's a but — you can only access the free version if your device is under 10.1 inches. Anything bigger than that requires a premium subscription. If your phone fits the bill, then follow these steps to get free PowerPoint on your device:

  • Install Microsoft PowerPoint from the App Store or Google Play Store .
  • Log in using your existing Microsoft email or enter a new email address to create one if you don't already have an account.
  • On the "Get Microsoft 365 Personal Plan" screen, press Skip For Now.
  • If you're offered a free trial, select Try later (or enjoy the free 30-day trial if you're interested).
  • To make a new presentation, tap the plus sign in the upper right corner.
  • Change the "Create in" option from OneDrive - Personal to a folder on your device. This allows you to save the presentation to your local storage and make offline edits.
  • Press "Set as default" to set your local folder as the default file storage location.
  • Choose your template from the selection or use a blank presentation.
  • Edit your presentation as needed.

Do note that PowerPoint mobile comes with some restrictions. There's no option to insert stock elements, change the slide size to a custom size, use the Designer feature, or display the presentation in Immersive Reader mode. However, you can use font styles considered premium on the web app.

Method #4: Use Your School Email Address

Office 365 Education is free for students and teachers, provided they have an email address from an eligible school. To check for your eligibility, here's what you need to do:

  • Go to the Office 365 Education page .
  • Type in your school email address in the empty text field.
  • Press "Get Started."
  • On the next screen, verify your eligibility. If you're eligible, you'll be asked to select whether you're a student or a teacher. If your school isn't recognized, however, you'll get a message telling you so.
  • For those who are eligible, proceed with creating your Office 365 Education account. Make sure your school email can receive external mail, as Microsoft will send you a verification code for your account.
  • Once you're done filling out the form, press "Start." This will open your Office 365 account page.

You can then start making your PowerPoint presentation using the web app. If your school's plan supports it, you can also install the Office 365 apps to your computer by clicking the "Install Office" button on your Office 365 account page and running the downloaded installation file. What sets the Office 365 Education account apart from the regular free account is that you have unlimited personal cloud storage and access to other Office apps like Word, Excel, and Outlook.

Using the new Trim Video command, you can edit the videos you inserted in your presentation to show only the most important and engaging parts, and keep your audience focused on what is relevant. You can trim videos using frame or timestamp level accuracy, and preview them and fine-tune them until you achieve the perfect and precise outcome.

To make it easier to access the feature, we have also added a dedicated Video tab in the   ribbon. Th e tab contains all the commands related to adjusting and formatting your videos, such as changing the video style, arrangement and more.

How it works

  • Open an existing presentation or create a new one, and then insert a video.
  • To begin trimming, select the video,  and then either select Video > Trim Video on the new Video tab or right-click the video and select Trim Video .

      3. To trim a video, drag and slide the end markers to set the start and end point for trimmed video segment marked by colored frames.

      4. To preview the trimmed video, click the Play button.

      5. When you’re done, click the Trim button to apply the trim selections.

Tips and Tricks

  • Use a mouse cursor or keyboard shortcuts, to easily set the trim start and end points within the video frame timeline.
  • Once you have dragged the markers to the desired frame, use the arrow keys to adjust timestamps (with standard HH:MM:SS:FF format) to trim and fine tune at precise points. Trimmed range duration is also displayed on the dialog for assistance.
  • Use Play, Pause and Seek Bar time stamps to preview while you iterate. Additionally, use the Forward and Backward buttons for playback and forward. 

Availability

The Trim Video feature is available to all PowerPoint for the web users.

NOTE: The Trim Video feature is only available for local and stock videos.

If I email a powerpoint presentation to someone and then delete the presentation after it is send, can they still access it??

I need to email a powerpoint and then delete it after it is sent. Can I do this?

If you email someone a file, they receive their own copy of the file.

If you delete YOUR copy of the file, it doesn't affect the one they've received.

Copilot Pro: What can Microsoft 365’s premium AI do?

Prerequisite: You need to get it up and running

To be able to use Copilot Pro, a few requirements must be met. First, you need a paid subscription to Microsoft 365 Single or Family (from $7 per month ).

Then you need to take out a subscription to Copilot Pro with the same Microsoft account for $20 per month. Both subscriptions can be cancelled monthly. You also need Windows 10 or 11 — we tested on Windows 11.

Copilot Pro will appear in Microsoft 365 (formerly Microsoft Office) programs, including Word, Excel, Outlook, Power Point, and OneNote. However, it is not installed directly; there is no installation file to download and run.

Instead, after purchasing the Copilot Pro license, you must go to File > Account > Update license in any Office application. Copilot should then automatically appear in the program after restarting the application.

Copilot Pro with Word

In the online versions of the Office programs, Copilot appears immediately after the subscription has been completed. This means that it is also available to Mac and Linux users. However, the online versions of Office are not to everyone’s taste, as they sometimes offer significantly fewer functions than the locally installed tools.

On our test computers, however, there were massive problems, which were mainly related to the fact that our Office applications also came into contact with a Microsoft 365 business license.

In times of working from home, many PC users will probably feel the same way. Of course, there is also a Copilot for business users, but it is more expensive ($30 per month) and requires a minimum number of at least 300 licenses.

Immediately after purchase, Copilot Pro appeared in the online versions of the Office applications without any problems.

Outside of the Office apps, the Copilot Pro license improves the Windows Copilot in the sidebar on the desktop, on the web at www.copilot.microsoft.com , and in the Android and iOS apps. There it provides faster access to the AI chatbot with Chat-GPT 4 and 4 Turbo.

Word: Full speed ahead for the AI chatbot

Copilot can really show off its strengths in Word. After all, it is essentially an AI chatbot that can easily create texts on any topic, as well as summarize or revise the content of existing texts.

How it works: Copilot appears in two places in Word. First, it appears as a sidebar after clicking on the Copilot icon in the menu bar. All Copilot output remains in this sidebar and must be copied and pasted into the text area of the document as required.

If the co-pilot has created a text suggestion in Word, this appears with a blue background and can be further edited using the tool by entering correction instructions (“write in more detail,” “formulate more loosely”). After clicking on “Apply”, the text becomes a normal part of the document.

On the other hand, a Copilot symbol always appears in the text area when the cursor is in an empty line or text is selected. Clicking on the symbol opens a movable chat window. The answers appear directly in the document. However, they are initially highlighted in light blue so that the new text stands out clearly from the existing text and can be checked.

The Copilot input field has changed and now displays four functions: “Accept,” “Generate new” to receive a new answer from the Copilot to the same question, an input field to optimize the suggested text, and the “Delete” function.

Summarize texts: Copilot performed this task very well in our tests and can therefore be a real labor-saving feature. Copilot also summarizes the key ideas in longer documents and lists them with references to the relevant text passages.

However, small errors do creep in here too. We would not recommend this function as the sole preparation for the Abitur, the Master’s degree, the master craftsman’s examination, or an important presentation to colleagues. But as a fallback for an unprepared-for lesson or meeting, Copilot’s summarizing function is handy.

Copilot with Word

Summarizing texts worked best of all the tasks in our test. The result was not always error-free, but it was often sufficient for many purposes and really made our work easier.

Creating texts : This is the AI chatbot’s specialty. It masters it accordingly well and helps users to write homework, term papers, letters to the building management, or poems for birthday parties. Of course, there is also criticism of this ability.

Making texts better: The Copilot should actually also be able to improve texts, for example in terms of structure, writing style, or content. A task that Chat-GPT from Open AI fulfills with ease. However, the Copilot in Word often only provided general tips for better texts instead of text improvements. Presumably a malfunction that Microsoft is still working on.

Copilot Pro: Fixing installation problems

Copilot Pro should appear in Word, Excel, Outlook, PowerPoint, Teams and OneNote. To do this, you must select File > Account > Update license in an Office app after purchasing Copilot.

The Copilot should then appear automatically in the program after restarting the application. In fact, there are sometimes massive problems with this step. The following tips can help.

1. Check the requirements carefully

  • You first need a paid subscription to Microsoft 365 Single or Family .
  • You also need the paid subscription to Copilot Pro, which you must purchase with the same Microsoft account as for your Microsoft 365.
  • You must have the correct programs installed, i.e. the Office apps from the Microsoft 365 suite. A “OneNote for Windows 10,” for example, is unlikely to get Copilot in the near future.

2. Check the Office license

Your installed Office programs must be logged in with your private Microsoft account, which you have also used to subscribe to Copilot. Start Word, for example, and select File > Account , then “Subscription product for [email protected] – Microsoft 365” must be displayed on the right-hand side.

If “Microsoft 365 Apps for Business” appears here, Copilot pro will not be visible. Not even if your private Microsoft account is displayed at the same time on the left-hand side under “User information.”

3. Troubleshooting license issues

The Office applications react very sensitively to license problems. If you have always been logged into an Office application with a professional Microsoft account, there is a good chance that a business license (see point 2) will be displayed on the right under File > Account . Change this via “Change license.”

You will then be asked to log in with a different Microsoft account. Use the private Microsoft account that you used for the Microsoft 365 subscription and the Copilot subscription.

4. Error code 29

When updating the Office license, error code 29 may appear. Sources on the internet indicate that it can take up to 72 hours for the Microsoft license server to update after you have changed a license.

5. OneDrive

Check in an Office app under File > Account whether the professional OneDrive account is stored under “Connected services.” Although this should not prevent the use of Copilot Pro, it did so repeatedly in our case. Also, do not open any documents from the local folders of the work OneCloud.

What also helps in some cases are the old standard tricks. Sign out in Office under File > Account and sign in again. Restart the Office apps or even restart Windows. Classic troubleshooting, but still helpful.

Excel: The co-pilot crash-lands in spreadsheet land

We actually think we are the perfect target group for the Excel Copilot. Although we know more than the basic arithmetic operations in Excel, we are a long way from being able to use Excel professionally. The AI support for analyzing and displaying our data is just what we need.

However, we are downright disappointed. Firstly, Copilot in Excel only understands English. Given the technical terms used in a spreadsheet, that’s quite a hurdle. Secondly, our figures and our analysis requests do not seem to match Copilot’s skills.

Examples: The command “Create a pie chart using this data” for selected cells did not always use the data we meant. “Show data insights” returned the answer, “Sorry, I’m having trouble working on…” for most of our tables. We often saw this response.

But there are also things that work. Above all, the data analysis tasks that Copilot itself suggests provide insights — at least occasionally, for example with the task: “Bold the top 10 values in ‘X’,” where X stands for a table column.

We estimate that you have to invest a lot of time and brainpower in using the co-pilot in Excel before you get really useful results. The question is whether you want to. It’s probably quicker if you Google the formula or analysis type you need and acquire the Excel knowledge from the search hits.

Outlook: Copilot answers emails – and not in a bad way

With one click, Copilot summarizes the content of an email. This often works well, although not perfectly. It is better to read important emails in full, but some less important messages can be summarized. Copilot only works with a Microsoft mail account.

Until the end of our testing, Copilot for Outlook was only visible in the mail program’s online app and in the “ The new Outlook ” program. In addition, Copilot only worked for the email address of the Microsoft account with which we had subscribed to Copilot; it did not appear for other accounts stored in this program. A shortcoming that’s likely to annoy many.

The useful summarization function for incoming emails appears in the message window directly above the email.

Fun fact: In the case of a short email, the summary was even slightly longer than the original. However, it was a little easier to understand than the shorter original.

Copilot on the web: Only a few advantages of the Pro version

Copilot on the web is the successor to Bing Chat. According to Microsoft, the latest language models (Chat-GPT 4 and 4 Turbo) and the new image generator Dall-E 3 are readily available to paid Pro users, even when the server load is high and free users have to wait.

With pure web access to the Copilot, a comparison with the original Chat-GPT from Open AI is obvious. After all, Copilot uses the same technology. In autumn 2023, we still found the Chat-GPT chatbot to be significantly more powerful and useful than Bing Chat (now Copilot). At least when it came to generating texts or acquiring background knowledge.

Today, the result is much more concise. The output of the two bots is similar as soon as you use Copilot Pro in “Creative” mode. However, Copilot Pro now offers integration into Office applications. This in turn could attract users from Chat-GPT Pro to Copilot Pro.

PowerPoint: Copilot is probably a help for beginners

Copilot can create slides with images and text in PowerPoint. However, we think that only PowerPoint newcomers can benefit from it. You usually have to work intensively on the text.

In PowerPoint, the co-pilot is only available as a sidebar. Here too, its ability to summarize content well is noticeable. However, this is unlikely to be the primary purpose for presentation slides.

Rather, a help function should appear here to create a slide from existing (text) documents. However, the Copilot does not have such access to files at the time of testing. And when copying the information into Copilot’s input field, the amount of text quickly exceeds the limit.

However, we also received the response that Copilot cannot create slides from this input.

What works: After clicking on an icon in the input field, Copilot shows possible jobs for it, for example “Create a holiday presentation about ” or “Create a slide show for a 40th birthday.” Copilot provides further suggestions via a website that it links to at this point.

Once a suitable assignment has been found for Copilot, it creates a presentation with images and text. In some cases, this can be a good starting point for your own slides, but it can also be completely off the mark.

OneNote: We are still looking for the intended use

Although we regularly use OneNote for our notes, we haven’t been able to think of a sensible use for the AI chat. But maybe that’s just down to our lack of imagination. There are certainly OneNote users who could make good use of the Copilot functions.

Conclusion: Fascinating, not for every purpose – and often still inadequate

The installation has its pitfalls, the user guidance shows weaknesses, and there are always errors in the results. Copilot for Office apps is not a finished product.

So why is Microsoft launching it on the market now?

Presumably because on the plus side, the tool can complete a task in minutes that would otherwise take an hour. That’s great and sometimes works — but not reliably and certainly not in all Office apps. Paying $20 per month for this option is probably only for technology enthusiasts.

What we like: The summarization of texts in both Word and the new Outlook is really powerful. Creating new texts in Word can be a real help, for example as a research aid or inspiration.

We find replying to emails in Outlook useful. And in general, access to an AI chatbot in Office is an exciting thing for us as tech-savvy users.

What we don’t like: Microsoft needs to improve the installation of Copilot. Spending four hours fiddling around until a tool works is somehow so 1990s. Copilot in Excel does something, but nothing that helps us.

A big minus is that the tool keeps making (small) errors. Either Copilot doesn’t do what you want it to do, or it does it with content errors. This means that everything Copilot creates has to be meticulously checked by the user.

Generally speaking, users have to invest a lot of time to find out what Copilot can do for them. We believe that many private users — for whom Copilot Pro is intended -s will search in vain for its intended use. For others, the tool can be helpful — perhaps even very helpful.

Some Windows 11 users are experiencing issues with PowerPoint exports when they are turned into .mp4 files. Visuals within the exported PowerPoint are appearing as flipped, or upside down. We are working with Microsoft to find a solution.

Microsoft PowerPoint offers features to record audio narration and export it as a video. PowerPoint records audio slide-by-slide rather than in one continuous file, allowing creators to easily re-record a slide if they make a mistake or need to change something later. Exporting as a video and uploading to Kaltura or Canvas for streaming is advantageous since it standardizes file types, doesn't require a download to view, is in a format that can be captioned, and allows viewers to navigate more efficiently.

  • Design your PowerPoint TIP: Use images and limit text to better engage viewers/listeners.  

Click slideshow tab and record slideshow to record audio narration.

  • Click Record Slide Show NOTE:  Audio may start recording automatically if you have an older version of PowerPoint. It will still work, but this version offers reduced functionality. 

Click slideshow tab and either record from current slide or record from the beginning

  • Record narration and avoid reading text on the slide out loud to viewers. Click the blue Replay button to listen to the recorded audio and ensure it was recording. 

Advance Narration on PC

  • Press [Escape] or the ‘X’ button located in the top right of the screen when the audio recordings are finished. You will see a speaker icon on slides that have audio.

Click File

  • Select Export  (steps 10-14 are shown in screenshot below).
  • Select Create a Video .  
  • Optional: Select Full HD (1080p) for the video quality; it is unlikely a higher quality is needed.  
  • Select Use Recorded Timings and Narrations.  

Create a video

  • Follow prompt/pop-up window to save the video in a memorable location.

  • How to upload and share with Kaltura (Instructors should use Kaltura. Students will need to use it if the file is over 500 MB, which a PowerPoint probably won't be and they can use Canvas.)

Elaboration on the Recording Features:

  • Timing Feature – there is a rolling time feature for the individual slide and the overall presentation. Allows the speaker/presenter to monitor how long they are talking.
  • Microphone Feature - Click on Settings  and select Microphone  and then the specific device to set up before recording.
  • Replay Feature - Use to check that the audio is recording properly before starting additional slides.
  • Clear Feature - Select Clear  to delete/re-record audio.
  • Don’t set the camera to record - Make sure this button has a diagonal slash through it to avoid the problem.

The following instructions will teach you how to add audio to your PowerPoint presentation on a Mac and export that PowerPoint as an MP4. The text instructions cover the same information as the video embedded below.

NOTE: It is essential to have the Office 365 version of PowerPoint or you will not be able to save your PowerPoint as a video. If necessary, you can download it and other Microsoft Office products for free by going to office365.uwec.edu. To record your narration, select Slide Show tab and Record Slide Show

  • Click Record Slide  Show
  • TIP: Before you begin recording your full presentation, do a practice recording to verify your microphone and other settings are correct.

  • NOTE: Avoid reading the text written directly on the slide; use the slide to elaborate on the material being presented.
  •  Stop speaking for a second to prevent the audio from cutting out as slides change. Resume speaking when the time starts moving again under the Current slide timing feature to the left of the recording button.
  • Click Stop or Pause  at the top of the screen and then End Show  in the top left corner   when all the audio recordings have been finished.
  • Check the audio by clicking on Play from Start  under the Slide Show tab or the presenter mode icon at the bottom of the screen.

Click record slideshow, clear, and clear timing on current slide.

  • Edit the name of the file and where you would like to save the video following PowerPoint's prompts.

  • Click Export

  • Upload your mp4 video to Kaltura or Canvas to share it:
