Google recently verified what many believed for years, that customers value a mix of positive AND negative reviews .

Research shows words have a specific set of emotions tied to them . Ask for a review with the right words, and you automatically trigger a specific set of emotions.

How to ask for a review

In our recently updated post, we cover the ins and outs of how to get reviews . It’s a comprehensive post that’s perfect for experienced professionals who are looking for a systematic method they can use to train their team.

Today we’re focused on something different.

We’re focused on the methods or channels used to ask for reviews. There are basic methods you can use to ask for a review.

  • Face-to-face: A face-to-face request is the most effective method you can use to ask for a review. These can be in-person or online, in an individual or group setting.
  •   Email: Asking for reviews via email is incredibly effective. Customers are highly responsive, especially if the review request is made shortly after a conversion event (e.g. sign-up, purchase, opt-in or follow).
  • SMS / Text Messages: Consumers are increasingly comfortable engaging with businesses via text.   What does this mean? Text messages give you immediate access to customers.
  • Social media: For better or worse, social media has built-in virality. Do something amazing or legendary for your customers and it spreads like wildfire. Do something bad and it spreads even faster. As far as review requests go, social media is a double-edged sword.

Here’s the problem.

These four methods aren’t equally effective. There are pros and cons to each and they come with serious consequences when they’re misused.

But which one is best?

Vanessa Bohns of Cornell University and Mahdi Roganizad of Western University found face-to-face requests were 34 times more effective than emailed requests . Face-to-face requests don’t scale all that well though (or do they?).

Doesn’t this mean email isn’t effective for review requests?

Not at all.

Over 4 billion people worldwide use email and it has a 90% penetration rate among US internet users.

But are people using their email accounts?

Absolutely.

In the same article, Hubspot, Campaign Monitor and Mailchimp show an average open rate around 20%, click rates of 2.5-3% and conversion rates of 1.2%.

We know email works.

What about text messages? The statistics are pretty clear on this as well. The Pew Research Center found 85 percent of Americans owned a smartphone. Surprisingly, 98 percent of mobile users will read a branded/business SMS message and 90 percent will read all messages within 3 minutes! Even better, SMS boasts a 45 to 98 percent response rate (compared to email’s 2 to 20 percent).

So which one is better?

That’s the wrong question. It’s not about better, it’s about different. Using any one of these channels will prove effective. Layering these channels together – that’s when you begin to see dramatic results.

How would you do that?

There are lots of ways to layer these channels. Here’s one idea you can use as part of your template.

First, you segment and stagger your text requests asking for a review first. You don’t want to add a large number of reviews to your review profile first, only for those reviews to be flagged as “suspicious” or spammy.

Next, you segment your email users into several relevant categories. You send emails out asking for a review, but you do it on a staggered schedule. Here are several criteria you can use to segment your list.

  • Repeat sales: Customers who are infrequent but repeat customers. They come to you with opportunities to earn their business first. They’re willing to spend more provided that they have a compelling reason to do so.
  • Revenue per customer: The 20 percent of your customers that produce 80 percent of your revenues and/or profit. This is an overall measurement and is tracked on a per-customer basis.
  • Spending by customer: Which customers spend the most money per cycle (e.g. annually, quarterly, monthly, weekly, etc.)
  • Product consumption rates: Which customers are fully using and absorbing your products and services? Customers who actually use your products or services are typically the most qualified to review them.
  • Purchase frequency: This is different from “spending by customer” as this refers to the actual number of purchases rather than a specific dollar value or financial threshold. These customers purchase consistently, often like clockwork.
  • Profit margin: Customers who have purchased products or services with the highest profit margins. As a group, these customers produce an extraordinary amount of cash for a business.
  • Customer evangelists: These are your believers, the customers who champion your business. They defend your business against attacks by naysayers, they attend your company events, and they’re active participants in the process.
  • High engagement: These are your vocal customers, the often irritating but well-meaning bunch that will tell you the truth in love. They truly believe in you, your product, or your service, and they’re willing to hold you accountable when you fall short.
  • Admiration: These customers love your business and display many of the same behavioral markers as the highly engaged group. They’re loyalists who are focused on serving and supporting your organization.
  • Strong relationships: These customers are your rock. They spend often, pay on time, and are givers by nature themselves.
  • Anniversaries: (e.g. purchase, sign-up, introduction, etc.) and special events that remind customers of the reasons they chose you. These dates are significant because they trigger nostalgia or dread depending on a customer’s relationship with you.

Finally, create a list of your super customers , you know, the people who meet three or more of these criteria. You’re still going to ask for a review, but you’ll ask these customers for a face-to-face review as well as the usual review.

Wait a minute!

How is this supposed to work? We all know that face-to-face reviews don’t scale. How are you supposed to make these review request types work?

You don’t.

If you have an email and text autoresponder sequence in place, you don’t need your face-to-face interviews to scale.

It’s actually the opposite.

You don’t want these face-to-face interviews to scale. Instead, these interviews should be reserved for the upper echelon of your customers.

The very best of the best.

The customers you have an incredible, trust-driven relationship with.

These customers will take the time to go above and beyond for you. They’ll hop on a video call to share their experience with your business. They’ll go to the trouble of posting their review online for you.

Average customers won’t do this for you.

This is why you need a layered strategy when you ask for reviews. If you’re a larger business or you’re dealing with an enormous customer list, automation is a must. You’ll need an autoresponder sequence that layers these strategies in a way that maximizes results. Don’t forget, in terms of this layered strategy, you can also use text template review requests .

An autoresponder sequence that enables you to ask for reviews from:

  • Customer all-stars who are eager to reciprocate
  • Happy or satisfied (but average) customers who will leave a review if asked
  • Unhappy customers who will give you the chance/opportunity to make things right
  • Unhappy customers who are encouraged to vent via an internal feedback form
  • Neutral customers who are open to being persuaded

See the difference?

If you’re running a bulk campaign to ask for reviews from neglected or forgotten customers, you’ll want to segment and stagger your email list. If you’d like a natural, consistent stream of positive reviews, you’ll need a multi-layered autoresponder sequence (SMS, email, social media and face-to-face).

Here’s why this matters.

Large blasts sent to past customers can be risky. Sure, you may get a ton of reviews from older customers. But you’re also more likely to trigger red flags with Google, Yelp or Facebook.

Your account history.

It’s suspicious if you go from little to no reviews to a ton of reviews all at once. If you plan to ask older customers for a review, the segment and stagger strategy is an absolute must. It’s a fantastic way to attract a large number of reviews without the suspicion that typically comes with it.

The unhappy customer

Priming customers for review requests.

Customers aren’t always happy to receive a review request. They’re not sure what to say or when to say it.

Priming customers is a simple and straightforward way to prep clients to give you reviews. You ask at the beginning of your relationship and then at the end of a sale, once your business with your customer is complete.

Here’s how you do it.

Thanks for your trust in us with [problem]. I know we’re going to achieve amazing things together! I had a quick question for you:

What can we say or do to earn a review from you?

Here’s why it’s so effective. You’re getting customers to set the conditions you’ll need to meet to receive a positive review from them. What’s better, you’re getting it ahead of time. You’ll get the specifics you need to ensure your customers are happy and satisfied.

Use questions to nail down any vague answers.

Want to improve your odds of getting an amazing review? Follow these steps:

  • Prime customers with the question: “What can we say or do to earn a review from you?”
  • Get a short list of specifics and metrics to beat.
  • Outperform. Dramatically meet and exceed your customer’s expectations.
  • Remind customers about their metrics, show them how you’ve exceeded their expectations.
  • Ask customers for their feedback immediately.

Post-transaction review requests

You’ve probably heard it before. The best time to ask customers for a favor, is right after a conversion event , like a sale.

The feedback interview request

Customers are happy when you fix their problem. But they forget to share their experience with others.

The feedback interview solves this problem.

How does it work? You simply ask customers for their feedback on one particular problem like this:

In the past, some of our clients were burned by a competitor. Most of them paid lots of money for a [product or service] that didn’t work well. We’re trying to learn from their experience.

What’s your experience with our [product or service]? Have you run into any frustrations ? Would you be willing to share your story on a quick 5 min. call?

If you’re using your Grade.us review funnel you can use this to collect negative feedback, fix the problems, then request a positive review. You can also use it to request reviews outright (regardless of the feedback).

Prestigious invite request

Inviting a customer to review your business isn’t the same as asking for a review. When you ask, it’s a favor. When you invite, it’s  prestigious.

But only if you do it right.

I’m reaching out to the top 3% of our customers (that’s you). I’d like to learn about your experience with [Business Name]. I only have six  questions to ask, and it should only take 4 or 5 minutes.

What if you can’t target the top 3% of customers in your business? Can you still use positioning to your advantage?

Just find a way to segment your customers. Remember the 11 sample segments I mentioned earlier (e.g. repeat sales, revenue per customer, profit margin, etc.)? You can use these elements to create a prestige invite.

Or you can make your own.

Applause review request

Sometimes you get things right. You were amazing, you under-promised and over-delivered. Your customers are happy, overjoyed even. This is the part where businesses ruin it. They forget to ask for the review.

When your customer is happy it’s a great time to ask for feedback. What specifically made them so happy? Did they dodge a bullet or avoid some painful outcome?

There’s an art to it. When you’re getting applause, asking for feedback is risky if it’s mishandled. If customers feel you’re being greedy – the relationship can sour quickly.

“This is the perfect time to use touch and go.”

With touch and go, you ask one question then you move on. You make one request then it’s back to celebrating. If customers are happy our questions need to be neutral or pleasant, this isn’t the time for controversy and alarm.

Satisfied follow-up review request

The satisfied follow-up leads with a question.

“On a scale of 0 – 10, how likely are you to recommend us?”

This is a question that’s sent to customers at the end of a transaction, service or project called the Net Promoter Score . Customers who list a score of 9 or 10 are your happy and satisfied customers. These customers can be cultivated to become evangelists and promoters.

But only after they validate your score with a review. Here’s how you follow-up with these customers.

I’m so glad we were able to take good care of you! Would you be willing to share your experience with other customers? They’d be very interested in hearing your experience and listening to what you have to say.

The survey interview review request

The survey interview is, as the name suggests, a survey. It’s a one question survey that leads with something fascinating. A question or hook that’s guaranteed to grab their attention.

Here’s how it works:

  • What do you want to know? Choose the most important question you’d like to ask e.g. what’s the biggest problem you’re trying to solve?
  • Why should they care? Make your question attention-grabbing, avoiding explicit controversy and self-deprecation.
  • Segment your responses. Who provided the best/worst answers? Which answers are most valuable? Sort respondents into groups.
  • Follow up with the engaged. Reach out to the people you’d like to hear more from. Send them a message thanking them for their response and asking if they’d be willing to elaborate.

If you’re running a marketing firm, your one question survey could be anything along the lines of:

  • What do you hate most about marketing firms?
  •  What’s your biggest struggle with creating content?

This works best with highly agreeable clients who are somewhat (or very) eager to please. It also works well with clients who, “owe you a favor.”

It’s a big ask.

Here’s why it works. You’re asking customers to do what they’ve already done. Repeat the positive feedback they shared with prospects on a reference call. They repeat it one more time, on a review site. Thanks to your 10 review request scripts , they know what to say, and how to say it.

If you’re running a business, you’re bound to have a few unhappy customers. Customers won’t always be happy with the work you do. Sometimes we make mistakes, sometimes we don’t meet their expectations. Sometimes these customers leave.

It’s common for businesses to treat these customers like a lost cause. “I made a mistake, they’re really angry with me, and they’re gone forever.”

What if you could get them back? What if there was a chance you could win them back and win new customers over in the process? As it turns out you can.

Here’s how:

  •   Assess your customer. You’re looking for unhappy customers who are emotionally stable. The strategy won’t work with unhappy customers if they’re toxic or malicious. You’re looking for unhappy people who are honorable, even though you screwed up.
  • Ask for details. These customers may already be on their way out the door. If they’re willing, give them a chance to clear the air. Ask questions if you need clarification, but listen. Get their permission to record and transcribe the interview.
  • Ask them to share their feedback. Send them a copy of their unedited feedback. Then ask if they’d be willing to share it publicly as a review. That’s right, you’re asking them to share a negative review.
  • Fix the problems they’ve mentioned. Go above and beyond, fixing all of the issues your unhappy customer mentioned. Next, create an irresistible offer that’s designed to woo them back to you (e.g. if you’re running a ski resort, you could reach out to unhappy customers with a free 10 day pass good for 10 people).
  • Make your approach. The approach is key. Come on too strong and look needy. Allow your ego to get in the way, and they may update their review, making your situation worse. The whole strategy falls apart. Your approach needs to be gentle, nuanced and respectful.

Your initial approach could look a little bit like this:

We’ve really messed things up. I’m so sorry. I know where we went wrong but I think I’m missing something. I’d like to learn as much as I can from this.

Would you be willing to share where you think we went wrong?

This isn’t a ploy to try to keep you with us. I want to prevent this from happening again.

This doesn’t look like a review request, does it? That’s because you’re not asking for a review. Doing that would be a mistake at this point. Right now, your focus should be on one thing.

Reconciliation.

This requires nuance but it’s also a risk.

You fix your unhappy customer’s problem, generously throwing in unasked for extras to smooth things over. Next, you’ll want to document everything. All of the steps you took to restore the relationship, the extras you provided, everything.

Once customers are overjoyed (and only then do) you make this request.

No matter how you decide to ask for reviews, these best practices will help give you the best chance of success.

1. Pick the right time to ask for reviews

Before deciding how you’ll ask for reviews, you’ll need to decide when to ask. Asking at the right time increases the odds that you’ll get positive reviews. The best time to ask for reviews is always when customers are happiest.

  • Ask shortly after a recent purchase. This is the moment customers are most invested. After all, they literally purchased your product. Even better? Ask someone who made a repeat purchase or renewed their subscription or contract. The more purchases or renewals someone has made, the better. If the product requires some onboarding, such as software or service, then wait a few days to ask. Make sure people have time to familiarize themselves with the product before asking for a review.
  • Ask right after you know you’ve delivered stellar service. If happy customers compliment you in person or during a call, that’s the perfect time to ask for a review.
  • Ask someone soon after they make a glowing, unprompted social media post or comment. Reputation management software can help you find positive social media posts in real time.
  • Run an NPS survey or another type of customer satisfaction survey. This will help to identify your most likely promoters, so you can send them a personalized note asking for a rating or review.

2. Know direct vs. indirect review requests

The different ways to ask for reviews fall into one of two categories: direct and indirect requests.

Direct or explicit review requests: Direct requests involve using a clear prompt that shows you’re requesting a review (i.e., “Leave us a review” or “We’d love it if you shared your feedback with us.”) These type of requests are also completely focused on reviews, rather than being inserted into marketing materials with another focus.

Indirect or subtle review requests: Indirect requests are subtly placed in marketing materials with another focus – they don’t include any outright mention that asks for a review.  Indirect requests could be mentioning your page on a review site (“We’re on Yelp!”) without directly asking for a review, including a button on your website that links to your review site, without saying “leave us a review”, or adding a review call-to-action in a newsletter.

3. Focus on prime review sites

Look for review sites with the best chances of increasing your reputation, and focus on asking for reviews on these sites. Review sites typically fall into two categories:

  • Major general review sites, like Yelp, Google, and Facebook
  • Prominent review sites in an industry niche (for example, Capterra is a prime review site for SaaS companies)

Share links to your business review pages, whenever possible. It’s important to read through each review site’s rules carefully – some platforms discourage or forbid directly asking for reviews (we’ll go into more detail on this later). However, those sites may still allow sharing the link to your review page.

4. Split between personal and general requests

It’s a good idea to divide your asks into ones that are personal (directed at your best customer-advocates) and general (mass requests that will reach a lot of your customers at once).

Personal requests usually generate more solid results. After all, they’re targeted at those who already love your brand, and create a direct connection with the customer. However, they’re more time-consuming to create and only reach a few people at a time. General requests reach more people at once, but oftentimes can seem too impersonal or robotic.

5. Decide whether you’ll automate asking for online reviews

Using reputation management platforms or other software can help your business ask for reviews. You could program the software to automatically send review emails, scheduled a certain number of days after a purchase. Or, you could send start by sending NPS surveys or other customer forms, and then trigger automated review asks to those who give the most positive feedback.

However, it’s important to be cautious when automating any form or communication. Some people think automated requests are too impersonal, and are much more likely to respond to something personal. Plus, if you’ve already built solid relationships with certain customers, it might be better to take the time and send them a personalized email.

6. Follow tips for asking for reviews on specific platforms

Now that you know the basics of how to ask for a review, here are tips specific to certain platforms. How to ask for reviews on Google

Your Google My Business listing and review page will always appear high up in Google search results for your business name. This means setting up a My Business page and collecting Google reviews will help boost your overall SEO ranking – and especially your local SEO. So it’s especially vital for local businesses seeking to reach new audiences and build their reputation.

Similar to receiving backlinks to your site pages, receiving positive reviews signals to Google (and potential customers!) that people trust your business.

Not surprisingly, Google is the most popular review platform. According to ReviewTrackers , “63.6% of consumers say they are likely to check online reviews on Google before visiting a business – more than any other review site.” So how to ask for reviews on Google to boost your online reputation? Here are some tips that work especially well for Google.

People trust the most recent Google reviews the most. You’ll want to create a steady stream of incoming reviews. In fact, 85% of customers only care about the reviews people wrote in the last three months.

Google allows you to directly ask for reviews (“Leave us a review on Google”). Take full advantage!

  • Send personalized and timely review ask emails that include your Google review link.
  • Ask customers who are most likely to be satisfied (preferably with a personalized email)
  • Ask for reviews via email when your product/service is fresh in people’s minds
  • If your business sells services, asking immediately after you performed the service (within a day) works best.
  • If your business sells products, give customers some time to try the product first. Don’t ask right after the package arrives. Instead, wait about a week after the purchase before you send the request.

Never incentivize Google reviews. This goes against Google’s policies. Never offer a discount, free product, or other incentive in exchange for a Google review. You also can’t run a contest where customers are required to add a Google review to enter. If you do, Google could remove all your Google reviews. One law firm  found this out the hard way.

How to ask for reviews on Yelp

Be careful – directly asking for reviews on Yelp is against their policy. However, indirect review asks are perfectly fine. You are allowed to tell your customers that you have a Yelp page and even link out to that page.

Feel free to mention your Yelp page in newsletters and other emails, as well as insert Yelp buttons on your website. Use these indirect methods to your advantage in any way possible.

How to ask for reviews on Facebook

One-third of Facebook users use the social network to find reviews and recommendations, so knowing how to ask for reviews on Facebook is vital.

How do Facebook’s reviews work? Facebook’s current review system is called “Recommendations.” Customers can still leave a review on your Facebook page, but they can also directly recommend businesses like yours to their friends (and even attach related photos). The best part about Facebook is that direct recommendations of your business are connected to your page and help improve its overall rating.

While older reviews still impact your rating, Facebook users no longer rate you with a five-star system anymore. Instead, they can either rate a business as “recommended” or “not recommended.” Facebook then gives your business a score (from zero to five) based on how many people have recommended you, as well as the star ratings people gave you in the past. So, how to ask for Facebook reviews?

  • Directly ask away. Direct review asks are perfectly fine under Facebook’s terms.
  • Ask on Facebook itself by publishing posts asking for reviews. Customers won’t even have to leave your page to leave the review!

  • Encourage customers to check into your business profile on Facebook, especially if you have a physical address. Customers who do this automatically receive a request from Facebook to review your business, sent a few days after check-in.
  • You are allowed to reward customers for check-ins with coupons or other perks.
  • Send personalized email review asks to your best customers, or timed email review requests while your product or service is fresh in their minds.
  • Ask for both Facebook and Google reviews in the same email, in case a customer doesn’t use Facebook.

The best ways to ask for reviews

What are your best options for generating reviews? How can you use them to your full advantage? Let’s go over how to ask for reviews in person,  on social media, via email, and more.

1. One-on-one conversations (in person, phone conversation, video call)

Asking for reviews in person, via phone, or via video call can pay dividends – if you time it right. After all, if you’re able to engage one-on-one with a customer,  you’ve likely already built a relationship with them. See more tips below:

  • The best time to ask for a review in person is right after someone praises your brand or products. You know they’re a happy customer, so thank them, then go ahead and move right to the direct ask.
  • Use their response to gauge their satisfaction.
  • Don’t ask for the review at the first positive comment they make, or it may not come off as genuine.
  • Keep a natural conversation going and learn what you can. Thank them for any praise!
  • If you think they’re a good choice to leave a review, ask politely at the end of your conversation.
  • If you offer a service and you know the customer was happy with your service, leave a card or flyer asking for a review when you’re finished. Leaving the card along with the receipt or invoice is a good way to make sure it gets noticed.
  • After any in-person ask, think about sending a review request email to follow up. The more personalized the email, the better. Mention their praise or positive comments, thank them, then request the review.

2. Prompts on your website

Your website is the perfect place to ask for reviews. Place easy-to-access review buttons on your homepage and other key pages, which link directly to your review pages.

Think about dedicating a review page that shares your top reviews. At the bottom of the page, include a prompt asking for reviews (“Share your thoughts with us!”) and buttons with links to the review sites.

In addition, you could use a hero image or pop-up to ask for reviews. You could set these to target existing or returning customers, or place them in users account.

If you’re an e-commerce business, you could create your own review system for product pages, allowing people to rate and see other ratings of products. This doesn’t feed into an outside review platform, but it’s a great way to boost credibility. And you can always ask people who leave five-star product reviews on your site to leave reviews on other sites, as well.

If you’re an e-commerce, software, or another online business, asking for reviews on a thank you page is a solid strategy. The thank you page shows right after customers purchase from you. Although it may seem a bit early, it’s a great way to keep reviews top of mind.

Use a prompt, like “If you enjoyed your experience with us, tell others about it!” or “If you love [products], consider leaving a review.” You could also ask for referrals on the thank you page, and then send review request emails to those who referred their friends to you.

3. Social media posts

Social media allows you to quickly reach many customers at once. So why not tap into social media platforms to ask for reviews?

Ask for reviews on the platforms your customers frequent. If you’re a B2B, you’ll probably want to ask on LinkedIn, and ecommerce brands will probably want to ask on Facebook and Instagram.

Also, being creative with your social “ask” will help it stand out. Don’t just say “leave us a review” as your call to action.  Instead, take a cue from Ball Park Brand. This gives customers a starting point for their review, so they aren’t stuck with writer’s block.

4. Text messaging (SMS)

If your customers have already given their phone numbers, and have consented to receive marketing text messages from your business, why not add text message review requests into the mix? Review ask texts ideally shouldn’t go out to all customers at once, though. Instead, time them to send a few days after someone has made a purchase, or a few days after they’re scheduled to receive a product.

Like any text message, a review ask text needs to be short and to the point. Try this sample text:

“Love [product name?] Please leave us a review! [Link to review site]”

Email marketing is one of the most effective ways to ask for reviews, offering the most detailed strategies. There are two main choices when asking for reviews via email: asking explicitly or encouraging subtly. Combine these approaches for the best results.

The direct email ask: Direct email asks are when you send a message completely focused on asking for reviews. You should also outline why reviews are important to your business, and then thank your customers for their support.

The subtle email ask: The subtle email ask is when you encourage reviews in emails sent with other intent. This can include newsletters, placing a short section that asks them to “leave us a review,” or in invoices or shipping updates, which reaches customers when you’re still top-of-mind.

Whatever option you choose, include call-to-action buttons with a direct link to each review site.

Steps to writing a compelling review email

Whether you send your review emails out personally or en masse, follow these steps when writing a focused (direct) email to ask for a review. In the next section, we share some email templates to show how you can ask a customer for a review.

1. Figure out who you’ll send the email to, and how personalized it will be.

  • Will you send standardized emails to all or most of your customers when they reach given points on their customer journey?
  • Are you creating mass emails that all customers on your email list (or all active customers) receive at once?
  • Should you send survey emails to get private customer feedback first, followed by review request emails to the respondents who give positive feedback?
  • Is it better to send highly personalized emails to select satisfied customers?
  • Are your emails using standardized text or personalized messages?
  • Or will you use another strategy, such as a combination of some of the above?

2. Decide when customers will receive the emails.

  • Will they get a review prompt email a certain number of days after a purchase?
  • Are you sending emails only after they’ve given positive survey feedback (or after they’ve been rated as a “promoter” under NPS)?
  • Will you send emails after customers refer a friend ?
  • Will customers receive emails on only after they’ve given unprompted positive feedback?

3. Choose a compelling subject line.

Your review email won’t help you if customers aren’t motivated to open it. Best practices include using the customer’s name and keeping your subject line short. It’s also a good idea to ask a question directly in the subject line.

Another way to stand out are to include an emoji (if you have enough space and it fits your brand). According to Campaign Monitor , an emoji in the subject line can increase your open rate by 56%.

Whatever subject line you choose, make sure it’s mobile-friendly. Use 39 characters or fewer – any longer, and part of it could get cut off in people’s mobile phones or email apps. The following examples are short enough, leaving plenty of room for personalizing with longer first names:

  • [Name], leave us a review?
  • [Name], give us feedback?
  • [Name], what do you think?
  • [Name], how’s your experience?
  • [Name], a quick favor?

4. Flesh out what you’ll include in your email body.

The best review emails follow this pattern:

  • Greet and thank the customer for choosing your business.
  • If applicable, mention what you’ve accomplished together (if you’re a project-based business) or the positive, unprompted comments they’ve made about you.
  • Kindly and professionally ask for the review, including a direct link to your preferred review site.
  • Explain why reviews are important for your business. For example, you could say that positive reviews help grow your customer base. This encourages your loyal customers to leave a review and take part in your success.

Remember to vary your message wording. And this isn’t just true for the most personalized emails – it’s a good idea to A/B test different emails to find out which ones give you the best results.

Now, let’s dissect each part of a compelling review email body, with examples of the wording you could use.

a. Greeting and thanks

Thank the customer for choosing your business. If applicable, mention how the customer has played a part in helping to build your brand.

  • “Thanks so much for being our customer! We’d love to hear about your experience with [business name].”
  • “Thanks for all your support of [business name]! [name a recent accomplishment of your business] We would have never made it this far without you.”
  • If a customer has made a positive comment about your business: “Thank you for sharing how much you love [business name].”
  • After unprompted positive feedback: “We loved hearing [mention a positive comment about your business that the customer shared].”
  • After they refer friends to your business: “Thank you for sharing [business name] with a friend!”
  • For one of your most loyal customers: “You’re one of our best customers, and we can’t thank you enough for your continued support of [business name].”

b. Ask for the review

Kindly and professionally ask for the review. Be sure to embed a link to the review site that you’d like the review on. Here are some messaging examples:

  • “Did we do a stellar job? If so, please consider leaving us a review.”
  • “If we exceeded your expectations, please consider leaving us a review on [review site].”
  • “If we could ask you for a favor, please leave us a review  on [review site] if you feel that [business name] has helped you.”
  • “Did we do a good job of [solving the problem the customer wanted your business to solve]? If so, could you take a few minutes to tell us about your experience?”
  • “How did we do today? If we provided excellent service/excellent customer support, please take a moment to let us know.”
  • “Do you love [product]? Please think about sharing the love on [review site].”
  • “Could you please take 60 seconds to leave us a review on [review site]?”

c. Explain why reviews are important

How do reviews help your business? Share this with your customer. Knowing the part they play in your success will help motivate them to leave their review. You can include this explanation before or after the direct review ask.

  • “Online reviews from awesome customers like you help future customers feel confident in choosing us.”
  • “Your reviews help other people find and trust our business, so you play an important part in helping us grow.”
  • “Reviews from customers like you help our business grow.”
  • “Your trusted reviews play a huge part in our business’ success.”
  • “We use your feedback to keep improving our experience for customers like you.”

Thank the customer in advance for leaving the review, and leave a personal signature at the end of the email.

For online vendors, getting these reviews from customers should be at the top of the priority list. And one of the best ways to do it is with simple request emails that give shoppers the tools and instructions to give you an amazing review—and drive other customers to the checkout.

We get it—it's not always easy to ask for reviews.

❌ Don't ask for a review straight away. The fastest way to leave a sour taste in a new customer's mouth is to come across as disingenuous. Ask for a positive review too soon, and your customer may think you only care about getting 5 stars instead of their experience with your store. It's best to hold off for 7-12 days after delivery and build the relationship first.

Add a benefit like a discount or coupon in exchange for feedback to get more customer reviews. 

Obvious? Yep. Effective? Absolutely. 

However, some of the best benefits are those that are a little outside the box. If you don't want to offer discounts or cash bonuses, think about what else your brand has that customers want. If you just want a lot of quick reviews, the best way to get them is to keep your request short and sweet.

When you should send review request emails (and how to get more responses)

Here's the kinda bad news: there's no straight answer to this question. 

It depends purely on your product and how long it'll take your customers to start seeing benefits and form an opinion. For example, skincare and beauty products will take longer for customers to test out, so you may want to wait a week or two. Clothing or tech brands may want to follow up sooner, as the customer can decide as soon as they try the product out if they like it or not.

However, there are a couple of tweaks you can make to your follow-up process to get more reviews: 

  • Avoid sending requests on weekends. People are busy, and they probably won't prioritize reviewing a product if it gets in the way of their weekend. Send your emails during the weekdays—preferably early in the week. Statistics say Tuesdays and Wednesdays are best! 
  • Experiment with different times and days to see what works best for your customers. Every store and demographic is different, so take general email benchmarks with a pinch of salt. What timings work for another vendor may not be a great fit for your store. 

The key to timing your review request emails is to be patient and strategic, so it's always best to put a few days in between the customer's purchase and your request.
