The options available to you for progression after the re-sit diet may be slightly different depending on if you are an undergraduate or postgraduate student. We've outlined the different options and processes below.

Undergraduate courses

Progress committees .

If you’ve just received your re-sit results and haven’t done as well as you’d hoped, your academic situation will be reviewed by a progress committee within your School. This is where various members of staff (chief advisers and course conveners) review your academic performance up to this point and make a decision on whether you should progress on to the next stage of your course, be allowed a repeat year or be discontinued from the course. The Progress Committee will be able to take any challenging circumstances you have faced into account, before arriving at their decision.

Key communications on this from your School will be sent to you after the resits, so make sure you are checking your university email regularly.  

Can I submit something in writing to the Progress Committee?

Yes, all students have the right to make a written submission to the Progress Committee regardless of the School they are studying in. If you would like us to check over this statement before you submit this to your School, please get in touch with our  SRC Advice Centre . We can review your statement and make sure that you are putting forward the best case you can to achieve your desired outcome. 

What should i send to the progress committee?

This would typically be a statement within which you:

  • Provide a chronological timeline of the academic year you have just completed
  • Highlight when challenges arose, what they were and how they impacted your studies
  • Advise whether you had discussions with academic staff about these and what happened as a result
  • Provide an update on your situation - are your challenges now behind you or do you still have these? If you do, have you gained more support for these that would help a successful return to study?
  • Highlight any positives in grades you may have achieved that help to make the case that you have the underlying capabilities to be successful on the course
  • Highlight your commitment in progressing on this course and what this would mean for you
  • Clarify the outcome you are seeking
  • Itemise any documents you are including along with your main document, e.g medical letters, email threads with staff etc

Some Schools may send you a template document to fill in, which will provide prompts for capturing the relevant information on your situation. If this is the case, try and incorporate the areas above into this document. 

Do i need to submit evidence about my situation?

Yes, ideally you will submit any evidence along with your statement that you think is relevant to your situation. If you have a medical condition or experienced a downturn in health, ideally this should be evidenced by a medical professional. You may also submit a letter from a friend or family member, if this is relevant to your situation and strengthens your argument.  

What can or should I ask the Progress Committee to do?

The options open to a Progress Committee would be to reaffirm the initial decision not to allow progress, permit progress to the next year, permit a repeat year or an exams-only year of study. 

We would suggest that you think carefully about what the best route forward is for you. For example, if your performance has been affected in the last year because of personal or medical circumstances that are ongoing, a repeat year of study may be more sensible than asking to progress to the next and more difficult year of your course. If you aren’t sure what to ask the committee for, you should discuss it with your Adviser of Studies or the SRC Advice Centre beforehand.

It's really important that you are aware of the key impacts these different ways forward have on you as they can impact your visa, funding, finances and your eligibility for exemption from Council Tax.

What if I am unhappy with the Progress Committee’s decision?

You may be able to appeal against the Progress Committee’s decision if you can demonstrate one of the 3 grounds for appeal — please read the SRC Advice Centre’s  academic appeals webpage  for more information about this.

Postgraduate courses

I am not allowed to progress, what are my options.

If you are currently studying on a taught postgraduate course you may still go through a progress committee as outlined above, but not always.

In most cases, if, after re-sits you have not achieved a Grade Point Average of 12.0 or higher, you will be discontinued from the course and notified via email / letter. This means you will not be permitted to progress to the dissertation part of the course, and instead will be offered either a Postgraduate Diploma (120 credits) or Certificate (60 credits), depending on your results to date.

Once you receive this decision you should always reach-out and discuss this with your adviser of study or course convener, to see if there is any possible scope for a change in this position.  If after doing this, the situation remains the same and If you believe that personal or health challenges affected your performance and your inability to reach a GPA of 12, an academic appeal to your College is the route to challenge this decision. If successful, this may allow you to then progress and continue with your study. Please read the SRC Advice Centre’s  academic appeals webpage  for an overview of this process.

Dissertation Extension Requests

It is expected that the vast majority of undergraduate and postgraduate students will be able to submit their dissertations on time, and will not require an extension.

How do I apply for a dissertation extension?

In the first instance, you should discuss your dissertation extension request with your dissertation supervisor.

A standard dissertation extension request should be applied for via Canvas, within the Faculty. A dissertation extension request of more than 14 days, or 21 days for students with an ARUAA, but no more than 3 months, should be applied for via Extenuating Circumstances, within the Faculty. See information about the Extenuating Circumstances policy and procedure, and the downloadable application form .

Only in exceptional circumstances will dissertation extension requests of more than 3 months be considered, as students are normally expected to be able to complete 60 credits of study within 3 months. A dissertation extension request of more than 3 months must be approved by the Academic Panel.

To apply for a dissertation extension of more than 3 months, your dissertation supervisor should email your completed Extenuating Circumstances form, independent supporting documentation, and their own supervisor statement, confirming that the request is reasonable in light of the circumstances being cited, to [email protected] , for the attention of the Academic Panel.

I am a part-time student, how does this impact my dissertation extension request?

Your mode of attendance does not impact your dissertation extension request. You will not be granted a longer dissertation extension as a result of your part-time status.

What information should my request include?

In your dissertation extension request you must:

  • Make your case, and provide independent supporting documentation of the circumstances that have caused you to request a dissertation extension, i.e. medical documentation or other relevant independent supporting documentation.
  • Confirm your original submission deadline.
  • Confirm the new submission deadline agreed with your dissertation supervisor should the extension request be granted. On agreeing a new submission deadline your supervisor needs to take into account the work done to date and the impact of the circumstances going forward, to ensure the date is reasonably achievable but does not give you an advantage over students who do submit on time

When will I know if my dissertation extension request has been granted?

If you are requesting a standard dissertation extension, or a dissertation extension of up to three months, your Faculty will notify you of the outcome once a decision has been made.

If you are requesting a dissertation extension of more than three months, requiring approval from the Academic Panel, you will be notified of the outcome in the days following the next Academic Panel meeting. The Academic Panel typically meets once a month.

Mott, stanley named umaine 2024 outstanding classified employees.

Administrative Specialist Emily Mott and Community Education Assistant Elizabeth Stanley have been named the 2024 Outstanding Classified Employees at the University of Maine by the Classified Employees Advisory Council (CEAC). Mott and Stanley both work with University of Maine Cooperative Extension. 

The award recognizes classified employees’ exceptional service and dedication to UMaine, increasing the campus community’s awareness of the indispensable contributions that represented and nonrepresented classified employees make to the quality, diversity and overall mission of the university. Award winners receive $1,000 in recognition of their contributions.

Mott joined the UMaine community in 2019 as a 4-H community education assistant, eventually transitioning to the role of administrative specialist with UMaine Extension’s Expanded Food and Nutrition Education Program in September 2022.

Faculty and staff who wrote Mott’s letters of support cited her relentless pursuit of personal and professional growth, as well as her strong communication skills and her ability to streamline processes and enhance efficiencies for the betterment of her team. 

“Beyond her technical skills, Emily possesses outstanding communication abilities that enable her to effectively collaborate with colleagues and stakeholders at all levels. She articulates ideas clearly and concisely, ensuring that everyone involved is on the same page and working towards shared goals. Furthermore, Emily’s encouraging demeanor and positive attitude make her a joy to work with, fostering a supportive team environment where everyone feels valued and motivated to perform at their best,” said UMaine Instructional Designer Mari Glatter. “What truly sets Emily apart, however, is her relentless pursuit of personal and professional growth. Despite her already impressive skill set, she continually seeks out opportunities for learning and development, actively engaging in training programs and self-study initiatives to expand her knowledge and expertise. This commitment to ongoing improvement not only benefits Emily in her own role but also contributes to the overall success of her department and the university as a whole.”

Stanley joined the UMaine community in 2003 to assist with the Knox, Lincoln and Waldo counties Master Gardener Volunteer (MGV) program. Since that time, she has organized and taught a MGV course for 18 of the 20 years she has worked at UMaine, training over 400 volunteers in the process. She has expanded UMaine Extension’s horticulture programming to include children’s gardening with various collaborators in Knox, Lincoln and Waldo counties and is part of the statewide Home Horticulture Team, providing client support for other areas of the state and input to the MGV program.

The multiple faculty and staff who wrote letters of support for Stanley’s award nomination cited her good humor, strong work ethic and outstanding expertise in her area of focus. She was lauded for her deep horticultural knowledge as well as her insight and compassion for volunteers.

“Liz’s excellence extends to her role coordinating and supporting Master Gardener Volunteers in the midcoast region. It is evident that Liz has a deep connection with the volunteer community she serves, demonstrating genuine care for volunteers by working alongside them, getting to know them as individuals, and fostering deep bonds during community-building moments outside the garden, such as seed swaps and snack times,” Extension Horticulturist Kate Garland wrote in her nomination letter for Stanley. “As a highly talented (and, once again, humble) visual and culinary artist, Liz regularly treats her colleagues and volunteers to delicious dishes and gorgeous artwork, contributing to a positive work environment. Many of us consider Extension a lifestyle rather than just a job, and Liz certainly embodies this ethos, viewing the community she serves as an extension of her personal community, reciprocated by a mutual respect from the community.”

Alternative Format Thesis

Application and guidance.

Where a student would like to submit their thesis in an alternative format, such as a thesis containing one or more journal articles as submitted to a journal or as published, they should seek permission for this from their supervisor as early as possible during their period of study.

Students may be permitted to submit a thesis in a ‘journal format’ subject to adherence to College guidance on the use of this format for their discipline. It may not be appropriate to submit a thesis in this format in all disciplines and students and supervisors should take care to explore whether this is an appropriate route for each individual.

Final confirmation of the format for submission will be required when the student submits their Intention to Submit notification; we strongly encourage that this is done as early as possible (i.e., 6 months prior to intended submission).

Thesis Submission and Examination

Intention to submit form, what is an intention to submit.

An Intention to Submit is required by the Graduate School to confirm that you are ready to submit your thesis within three months of the date stated on your form or by your expected submission date (whichever date is sooner).

Your  Intention to Submit should be completed via the UofG Helpdesk.

The  Intention to Submit  form is accessed via UofG Heldesk.

When should I complete the Intention to Submit?

The form should be submitted about 3 months before your expected thesis submission date. This will allow us time to organise a Committee of Examiners for your viva.

When do I need to submit my thesis?

Your submission date will fall into one of two categories. Either 3 months from the date that the Graduate School are in receipt of the completed Intention to Submit Form or your expected thesis submission date, whichever date is earliest.

How do I submit my thesis?

Please use the University’s file transfer system to send your thesis/dissertation (as a PDF file) to the Graduate School .

We are currently processing electronic-only thesis/dissertation submissions and you are no longer required to hand in three soft-bound copies of your thesis.

Can I submit the Intention to Submit at the same time as my thesis?

Yes, this form can be submitted via UofG Helpdesk at the same time you send your thesis via file transfer to the Graduate School.

However, this will delay your thesis being sent out for examination and may also cause a delay in arranging your viva.

What happens if I don’t submit my thesis within the time stated?

You will be charged an additional fee for  submission of thesis after dealine has lapsed and your thesis may not be accepted for examination. If you think you will be unable to submit your thesis in time please contact your supervisors or the Graduate School for information on what support we can offer.

Nomination of Committee of Examiners

What is a committee of examiners.

The Committee of Examiners is a group of three academics who are approved to examine your thesis and conduct your viva. The group normally consists of :

Convener - Nominated by the Head of School or subject to oversee the examination process

Internal Examiner - An academic employed by the University of Glasgow

External Examiner - An academic from another University

If you are an employed by the University  of Glasgow your committee will have 2 external examiners

How are the examiners chosen?

Your supervisors will liaise with potential examiners who they feel are best suited to examine your thesis.

When will I find out who my examiners are?

Your supervisor may discuss potential examiners with you however you will not be told who the committee of examiners are until you have submitted your thesis to the Graduate School.

When will my thesis be sent to the Examiners?

Your thesis will be sent to the examiners as soon as possible after it has been submitted to the Graduate School provided we have received a completed, signed and approved Nomination of Committee of Examiners. Your thesis cannot be sent to the examiners without receipt of this form.

When should the Committee of Examiners Form be Completed?

As soon as we receive your Intention to Submit the Graduate School will contact your supervisors and ask them to complete the form. This process usually begins around 3 months before your expected submission date.

What happens if the thesis is submitted before the Committee of Examiners form is received?

Your thesis will not be sent to the examiners until a completed form has been submitted to the Graduate School and approved by the Dean of Graduate Studies

There is a problem appointing a convener, can the thesis be sent to the examiners in the meantime?

No, the thesis will not be sent to the examiners until the form has been completed in full and has been approved

Extension to Thesis Submission Date

What do i do if i need extra time to complete my thesis.

It is your responsibility to bring any factors that may affect your abilty to submit your thesis on time to the attention of the Graduate School and your supervisors before your expected thesis submission date .   If this is due to medical or other adverse circumstances then it is considered to be good cause and a period of medical leave may be granted.

We will be able to advise you on the steps to take to ensure you are able to submit your thesis for examination by an approved deadline without incurring a late submission fee.

Time limit 

Applications should be submitted 3 months in advance of the submission date and  no later than 6 weeks  prior to the expected submission date. Applications received later than 6 weeks prior to submission will incur a late  fee . 

If there are medical reasons for the request, you must notify the Graduate School as soon as possible and within 3 weeks of the good cause event or other circumstances  if you feel that you require additional time to submit your thesis. Retrospective applications will only be approved under exceptional circumstances. If you do not notify the Graduate School of your circumstances you may not be granted an extension to your thesis submission date unless you can provide a good reason why this information could not be presented in time.

How to Notify

Please submit an  Application for Extension to Thesis Submission Date  and Completion Plan  plus any supporting documents to the  Graduate School .

Evidence of Good Cause

Evidence should be in the form of a report that describes the medical condition or other adverse personal circumstances. Where the report refers to a medical condition of more than seven consecutive days duration the report must be completed by an appropriate medical practitioner.  It is also helpful if any evidence includes details of the exact effect on the ability to complete your PhD. Examples of good cause can be found in the University Code of Practice under section 10.28:

  • Ill health (accompanied by medical certification);
  • Death of a person with whom a close relationship can be demonstrated (e.g. immediate family member; spouse);
  • Delay to data gathering/analysis due to lack of operable equipment;
  • Dramatic change in circumstances (e.g. homelessness).

An extension cannot normally be granted on the grounds of employment. 

Important information:  Short term extension requests (less than 3 months) without compelling evidence of adverse personal circumstances in the thesis pending period will be rejected. Adverse personal circumstances include:

  • Death of a person with whom a close relationship can be demonstrated (e.g., immediate family member; spouse);
  • Dramatic change in circumstances (e.g., homelessness).

All students who request an extension not supported by significant adverse circumstances will be subject to a  late submission fee .

What is the difference between an extension and medical leave?

If you need extra time to submit your thesis you may be granted either a suspension or an extension. This will depend on the reason the additional time is required.

Medical Leave

If additional time is required because you are unable to work on your thesis for reasons of medical or other adverse circumstances i.e. if there is good cause, a period of leave may be granted. The period of your leave will be added to your expected thesis submission date and a revised date will be recorded on your student record. The duration of the leave should not normally be more than 12 months.

Extensions dealt with in this way will not affect the College submission rates however your student ID card will not be active during the period of leave. If you hold a tier 4 visa and the period of leave is for more than 60 days you will need to leave the UK and the University sponsorship of your visa will be withdrawn. 

If you require additional time for reasons other than medical or adverse circumstances e.g if there has been a delay to data analysis for some reason, or you miscalculated the time needed to proof read and prepare the thesis for submission you will be granted an extension. The duration of the extension will not be added to your expected thesis submission date. Extensions dealt with in this way will adversely affect the College submission rates if the final duration of study is more than 4 years. Your student ID card will be active and if you hold a tier 4 visa you should ensure your visa covers the period of the extension.

Can I submit an application for an extension after my expected submission date?

Not unless there have been exceptional circumstances which prevented you from submitting your application at the correct time.

Any additional fee for  submission of thesis after deadline has lapsed  applied to your record will not be removed in the event that a late application is approved.

What will happen if I submit my thesis late without an approved extension?

There is no guarantee your thesis will be accepted for examination and you will be charged an additional fee for submission of thesis after deadline has lapsed .
