Should You Combine Your Cover Letter and Resume into One Document?

In fact, many companies and employers now only accept emailed digital cover letters and resumes so they can make use of applicant tracking systems (ATS). Unfortunately, there’s been little effort to standardize submission processes, and that can make it a little confusing for the average job seeker.

For example, how should you submit your emailed resume and cover letter? Should you send them separately or combine them into one document? In this post, we’ll examine both options and offer the advice you need to make the best decision.

What’s the difference between a cover letter and resume?

Before you decide whether to combine your cover letter and resume into one document, it is helpful to make sure that you fully understand each of these important tools. The fact is that each of these documents has its own role to play in the job search process, and they have some major differences:

Each of these documents serves a distinct purpose in the job search process. Resumes are designed to provide an employer with an easy way to quickly assess your qualifications. The main purpose of a cover letter is to help the employer understand your motivations, goals, and personality. Both are important documents, but they are not interchangeable.

Your cover letter should be a targeted document that focuses on your qualifications for a specific job role. Since resumes and cover letters serve two very different roles in the job search process, they should be treated as separate documents. The only time you should even consider combining these two documents is when the company has instructed you to do so.

Whenever possible, it’s a good idea to get the submission guidelines for the position straight from the source. That means asking the company’s hiring manager how your resume and cover letter should be sent. If there are clear instructions, it’s important to follow them to the letter to maximize your chances of receiving the right type of attention. On those rare occasions when a company wants a combined document, the job posting will usually include that instruction.

Why you should not combine these two documents

In most instances, however, you will discover that the instructions are vague. Perhaps the only instruction is that your resume must be emailed. If that’s the case, then you should always choose to leave these two documents as separate files. There are several very good reasons to do so:

As we noted above, there may be times when a specific employer requests that a resume and cover letter be sent as one document. Obviously, that request should be honored if you want to be considered for an interview. The important thing then is to ensure that you combine them properly. The following tips can help:

Decide which document you want the employer to see first

Since the cover letter serves as your introduction, there is a case to be made for putting it in the front of the resume. If you want to make sure that the ATS scores your resume properly, however, you may want to put the resume at the beginning of the document. That can also help hiring managers quickly access your qualifications.

Create a new document

Make sure that you create an entirely new document for your combined file. That will enable you to keep them separate for other companies and submissions. Then copy and paste your resume and cover letter into this new document. Be sure to save the file with an appropriate file name. For example: JohnSmithResumeCoverLetter.docx or JohnSmithResumeCoverLetter.pdf.

Use proper formatting

When you paste each document into your combined file, make sure that you retain the original formatting. Also, be sure to include a page break at the end of the first document so that the next document begins on a fresh page.

Submit the combined file

Once you have your new combined file, submit it to the company. If the online job posting includes submission instructions, follow them to the letter. Otherwise, simply send it to the appropriate email address.

How to email your cover letter and resume

When emailing your cover letter and resume, either include the cover letter as an attachment or copy and paste its text into the email message. Don’t do both. 

It is generally recommended that you submit both the resume and cover letter as file attachments rather than having any part of them in the body of your email message. What you can include in the email text is confirmation that you have attached the resume and cover letter files.

Of course, you also need to decide whether you want to submit a Word document or a PDF file. Once again, review the job board instructions to see what the company is requesting. If there is no specific option listed, then the best thing to do is to submit each document in a Word file.

You should choose to send your cover letter and resume as separate documents, unless the company has instructed you to combine them into a single file. A cover letter ranges from 300 to 500 words and should be written using the same format as any professional business letter. The key sections of a cover letter include:

The header with the date, the employer's address, and your contact information

A salutation directed to a specific individual when possible

An introduction paragraph where you introduce yourself, share why you're interested, and emphasize why you're an ideal candidate

A conclusion paragraph , where you'll conclude with appreciation and a call to action

The closing , with a professional closing salutation and your name

Your cover letter, unlike your resume, addresses the employer directly and with a tone that's more personable than a resume. The exact tone you go with for your cover letter should reflect the industry and organization to which you're applying, though it's still good to showcase some personality. When doing so, ensure you still keep it professional and don't be too personal to the point that it distracts from the letter's overall goal and ability to leave a positive impression. 

The tone of a resume is straightforward and objective. It offers the reader specific details about your past work history, key qualifications, and skills. 

A resume is mostly past-oriented, meaning that it focuses largely on your past work history and experiences. Much of a resume is written in the past tense, as well.

Should you staple your resume & cover letter together.

Most resume writing professionals advise against stapling your cover letter to your resume. (See Reference 3.) While it is important to keep both these documents together, generally an employer will read the cover letter and want to throw it away, keeping the resume if he plans to interview you.

Best Option

If the cover letter and/or resume are more than a page, the whole package will appear quite unorganized. For a very professional look, consider presenting or mailing your cover letter and resume in a folder. If you have letters of recommendation, a portfolio of projects or other documents, those would go in first (meaning the last things that would be seen when opening the folder). Then place your resume, then the cover letter. You would either hand the folder to the employer or mail the package in a 9 by 12 inch envelope. Don’t fold it in thirds and stuff it into a small envelope. Be sure the heading of the cover letter is upright.

Staples vs. Paper Clips

If your resume is more than one page, some experts suggest that you can staple these together since it is really one document. You might consider paper-clipping them, especially if the second page includes only information such as education and degrees, since the employer may only be interested in your contact information and work history.

Remember to keep your cover letter concise and focused. It should typically be no more than one page in length. Proofread your letter carefully to ensure it is free from spelling and grammatical errors. Tailor each cover letter to the specific job application to make it as relevant and impactful as possible.

How to write a good cover letter (with examples)

The best letters are unique, tailored to the job description, and written in your voice — but that doesn’t mean you can’t use a job cover letter template.

Great cover letters contain the same basic elements and flow a certain way. Take a look at this cover letter structure for ref erence while you construct your own.

1. Add a header and contact information

While reading your cover letter, the recruiter shouldn’t have to look far to find who wrote it. Your document should include a basic heading with the following information:

  • Pronouns (optional)
  • Location (optional)
  • Email address
  • Phone number (optional)
  • Relevant links, such as your LinkedIn profile , portfolio, or personal website (optional)

You can pull this information directly from your CV. Put it together, and it will look something like this:

Alternatively, if the posting asks you to submit your cover letter in the body of an email, you can include this information in your signature. For example:

2. Include a personal greeting

Always begin your cover letter by addressing the hiring manager — preferably by name. You can use the person’s first and last name. Make sure to include a relevant title, like Dr., Mr., or Ms. For example, “Dear Mr. John Doe.”

Avoid generic openings like “To whom it may concern,” “Dear sir or madam,” or “Dear hiring manager.” These introductions sound impersonal — like you’re copy-pasting cover letters — and can work against you in the hiring process.

Be careful, though. When using someone’s name, you don’t want to use the wrong title or accidentally misgender someone. If in doubt, using only their name is enough. You could also opt for a gender-neutral title, like Mx.

Make sure you’re addressing the right person in your letter — ideally, the person who’s making the final hiring decision. This isn’t always specified in the job posting, so you may have to do some research to learn the name of the hiring manager.

3. Draw them in with an opening story

The opening paragraph of your cover letter should hook the reader. You want it to be memorable, conversational, and extremely relevant to the job you’re pursuing. 

There’s no need for a personal introduction — you’ve already included your name in the heading. But you should make reference to the job you’re applying for. A simple “Thank you for considering my application for the role of [job title] at [company],” will suffice.

Then you can get into the “Why” of your job application. Drive home what makes this specific job and this company so appealing to you. Perhaps you’re a fan of their products, you’re passionate about their mission, or you love their brand voice. Whatever the case, this section is where you share your enthusiasm for the role.

Here’s an example opening paragraph. In this scenario, you’re applying for a digital marketing role at a bicycle company:

“Dear Mr. John Doe,

Thank you for considering my application for the role of Marketing Coordinator at Bits n’ Bikes.

My parents bought my first bike at one of your stores. I’ll never forget the freedom I felt when I learned to ride it. My father removed my training wheels, and my mom sent me barrelling down the street. You provide joy to families across the country — and I want to be part of that.”

4. Emphasize why you’re best for the job

Your next paragraphs should be focused on the role you’re applying to. Highlight your skill set and why you’re a good fit for the needs and expectations associated with the position. Hiring managers want to know what you’ll bring to the job, not just any role.

Start by studying the job description for hints. What problem are they trying to solve with this hire? What skills and qualifications do they mention first or more than once? These are indicators of what’s important to the hiring manager.

Search for details that match your experience and interests. For example, if you’re excited about a fast-paced job in public relations, you might look for these elements in a posting:

  • They want someone who can write social media posts and blog content on tight deadlines
  • They value collaboration and input from every team member
  • They need a planner who can come up with strong PR strategies

Highlight how you fulfill these requirements:

“I’ve always been a strong writer. From blog posts to social media, my content pulls in readers and drives traffic to product pages. For example, when I worked at Bits n’ Bikes, I developed a strategic blog series about bike maintenance that increased our sales of spare parts and tools by 50% — we could see it in our web metrics.

5. End with a strong closing paragraph and sign off gracefully

  • Be honest . Avoid highlighting skills you don’t have. This will backfire if they ask you about them in an interview. Instead, shift focus to the ways in which you stand out.

In cold weather climates, the beginning of spring is a time to clean the house and get organized—a practice known as spring cleaning. Through the years, spring cleaning has taken on a larger meaning with people using the time to organize and declutter things in their lives.

For professionals on the job hunt, a little spring cleaning (metaphorically speaking) could be a great way to reinvigorate your job search. Here are a few strategies your job search spring cleaning should include.

Reevaluate Your Job Search Approach

Make a list of the last handful of jobs you applied for and see if you can identify any positive or negative trends. Consider things like:

  • How did I learn about this job?
  • How did I apply for the job?
  • Did I earn an interview?
  • What was the ultimate result?

A lot can be learned about your job search approach just by answering these questions and identifying patterns. For example:

Negative Trends

You discovered five jobs through job boards, applied to all of them via the job boards, and never heard back from any of them.

The common pattern here is applying through job boards. This isn't to say that job boards don't serve a purpose in the job search process, but they have their limitations , and you can't run your job search entirely off of them. When you apply through a job board, there's a good chance that your materials will never get past the applicant tracking system (ATS) and never be seen by an actual person.

One simple fix is to research who the hiring manager or recruiter is that posted the position and email your materials to them directly.

The more efficient fix would be to take a proactive approach by putting together a bucket list of companies that you want to work for and start making connections on LinkedIn with people who work at those companies. You may already know some people who work there or have connections that can refer you to some individuals.

This is a great way to network your way onto a company's radar.

Positive Trends

You applied to three jobs via referral, were invited to two job interviews, and made it through multiple rounds of interviews for one of the jobs before being passed over for someone with a little more experience.

The pattern here is that getting referred to a job by a professional acquaintance is a great way to land a job interview . This indicates that you're leveraging your network well and you should continue to focus on your networking efforts.

The next step is to review the interview process and determine what went well and what needs to be improved. Sometimes the interviewer will provide feedback , and that feedback can be valuable. However, not everyone is comfortable with giving feedback.

Chances are you probably have a good idea about areas of improvement and the skills you need to gain. Put together a plan for addressing those shortfalls.

The good news in making it deep into any interview process is that it indicates that the company likes you as a potential employee (even if the timing just wasn't right) and the experience could be a roadmap to a job with that company at a later date, or another similar opportunity elsewhere.

Give Your Resume & Cover Letter Some Much-Needed Attention

Are you continuously sending similar resumes and cover letters to each job opening with only minor adjustments? If so, your strategy needs some serious spring cleaning.

Every resume should be tailored to the position in order for it to stand out to recruiters and hiring managers . It may seem like a lot of work, but it's actually less work than submitting the same resume over and over again and never hearing back.

The reason why it's so important to tailor your resume is that throughout your career, you acquire numerous skills, but the job you're applying for may only be focusing on 6-8 of those skills. In that case, those skills must rise to the top of the resume with quantifiable examples of how you successfully used those skills at previous jobs.

Remember, recruiters go through hundreds of resumes. They need to be able to tell from a quick glance whether or not you're a potential candidate for the position.

While updating your resume, you could also spruce up your LinkedIn profile by highlighting the skill sets that you want to be noticed for by recruiters.

As for writing a good cover letter , the key to success is writing a disruptive cover letter . When you write a disruptive cover letter , you're basically telling a story. The story should focus on how you connect with the particular company and job position. The story could also focus on your personal journey, and how you got to where you currently are in your career.

If your resumes and cover letters aren't unique, now is the time to clean things up and get on track.

Build Your Personal Brand

Just because you're looking for work doesn't mean that you don't have anything to offer. Use previous career experiences and passions to build your personal brand .

Ask yourself, "How do I want other professionals to view me?"

Pick an area of expertise and start sharing your knowledge and experience with your professional network by pushing out content on your LinkedIn and social media accounts. Good content can include blogs, social media posts, and videos.

Your job search is important, but it's even more important to know when to pull back and focus on personal health and spending time with family and friends.

There are actually things that you can do for your own enjoyment that could help your job search in the long run, such as:

  • Grab coffee with a friend - It's good to engage in light conversation with friends during challenging times. And if your job search does come up, remember that most people have been through it themselves and you never know when a friend may provide you with a good idea or lead on a job.
  • Volunteer - Volunteering is a great way to get involved in the community and help others. In addition, if you develop a little bit of a career gap while looking for a job, you can always talk about how you filled that time volunteering, if you're asked about it during a job interview.
  • Continue to focus on other passions - Are you a fitness nut? Blogger? Crafter? Continue to do the things that bring you happiness. And if you're in a position to profit from your passion through a freelance job or side hustle , even better!

Do You Staple Your Resume?

Even though most people are used to sending their resumes by email, it is a good idea to also know the etiquette regarding paper resumes.

Why? Because sometimes you will have to go in person to an interview and for this will need to bring a paper resume. Even though many interviews are now held via Zoom, Skype, or Google Meet, there are still many companies that are all in-person and in-office and want those interviews to be held on site.

When that happens you can expect to bring a paper resume to the interview. In fact, it’s considered bad etiquette to show up without a resume.

So, therefore it makes sense that you will need to understand exactly how to bring your resume to the interview and if you are supposed to staple it.

Do You Staple Your Resume and Cover Letter?

Some people don’t have a cover letter, but if you do, how should you handle it? Do you staple the cover letter to the front or the back? Or do you use a paperclip?

So, what I would tell everyone is that for most jobs, a cover letter is not necessary. There are very specific situations where a cover letter is a plus, but you will know it. In most cases where a cover letter is going to be appropriate, the hiring manager or whoever is in charge of reviewing the resumes will indicate this.

I don’t advocate that all people have a cover letter. It’s just not necessary and in many cases is simply a put off.

However, if you are applying to a role that requires a cover letter, then I would advise you do not staple it to your resume.

You do not want to staple a resume (I will cover this elsewhere in more detail) and you certainly do not want to staple other items to your resume.

What you need to do is keep your cover letter separate from your resume. If you need to keep them together, then you can use a paperclip (more on this below). But never staple your cover letter directly to your resume because it will make the entire document difficult to read.                  

Should You Staple Your Resume and References Together?

References are very important and some people even put them on a resume. While I don’t think that’s a good idea, it’s an even worse idea to staple your references and resume together.

Here’s the thing, when you staple a resume together, you’re creating something that’s cumbersome to file away, scan, or otherwise deal with. This is why a single page resume is so popular in most job fields.

As a rule, it’s just better to not list your references on your resume and simply say that they are available upon request.

And there is no reason to send over letters of reference if you’re not past the initial interview stage of the job.

Do You Staple a Two Page Resume?

What do you do with a two page resume? Do you staple the two pages of the resume together?

The first answer is that you should not have a two page resume. End of story. There’s no real reason for most people in the workplace to have a two page resume.

However, if for some reason you really find yourself in a spot where you just can’t condense your resume any further, then you should not staple it together.

Well, how do you handle that? There are two ways to deal with this: paperclip or double-sided paper.

Paperclips work well if you’re dealing with an in person interview. If you know that the resume will not be separated and lost.

And of course, there are also places that request that you send in your resume paperclipped if it’s more than one page. If there are special instructions that call for the resume to be paperclipped, then by all means follow that advice.

However, for most people who are applying to the open market, a double sided resume is simply a better way to handle a two page resume.

This solution is going to avoid the dreaded staple.

Is It Ok to Staple Your Resume?

I want to start this off by calming down anyone who has sent in a resume that was stappled. Relax, it’s not a big deal. It won’t kill your chances of getting the job.

It’s not a big mistake if you have already sent in a resume that was stapled. However, moving forward I would suggest that you not staple a two page resume.

As a matter of fact, I would suggest that you not only do not staple resumes but just make the resume into single page.

The stappled resume is always going to be a slight distraction. There’s no reason to not make a resume double sided. It just makes it easier for the interviewer to navigate the resume while speaking with you.

It’s easy enough to print double sided (I have a quick tutorial here for those who are novices).

So, avoid all of the issues with stappled resumes, paperclipped resumes , and all other combos you might think of and simply stick with a double sided version of your resume instead.

Creating sections for a cover letter and resume

To keep your cover letter and your resume together, you can create them in the same document and use a separate section, with different information and formatting , for each.

Note:  You can use the same technique to create title pages, tables of contents, and other pages where you want different margins and headers and footers.

Insert a section break

Go to File > Options .

Select > Display .

Under Always show these formatting marks on the screen , select Paragraph marks .

Click or tap where you want to insert a section break for your cover letter.

Do cover letters matter these days? It depends on who you ask.

Some recruiters love learning more about each job applicant, while others find the practice antiquated. So should you write one if it might not even be read at all?

Do I Need a Cover Letter ?

In most cases, yes—you should submit a cover letter with your resume.

While the cover letter has increasingly become a divisive topic among recruiters and job seekers , it's still often listed as a requirement on job applications .

But regardless, many recruiters still think cover letters are important.

According to a 2023 study by recruitment website Zippia , more than a fourth (26 percent) of recruiters "always read cover letters " and think they're an important component of the hiring decision. And almost half (45 percent) said that not including a cover letter could get your application rejected.

So in most cases, it's best to be cautious and include one.

In short, including a cover letter will almost never hurt your job search —but it can help.

Here's how:

  • It can help you stand out from the crowd . Recruiters read through countless resumes for just one role. If you have similar qualifications as other candidates, a cover letter allows you to showcase your personality and unique skills.
  • It shows you're willing to go the extra mile . Searching for a new job is already a lot of effort, so it may be difficult to rationalize writing a customized cover letter for each role. But the Zippia study found that 61 percent of hiring managers consider a customized resume (with a cover letter, portfolio link, etc.) the "number one tactic for applicants to boost their chances of getting a job."
  • You can address potential biases . In a perfect world, recruiters wouldn't count you out based on things like employment gaps or " job hopping ." Career coach Marlo Lyons recommends using your cover letter to "fill in any gaps" and provide context about these types of situations so recruiters don't get the wrong impression.

When You Should Include a Cover Letter

It's ultimately up to you whether you include a cover letter.

Octavia Goredema, career coach and author of Prep, Push, Pivot , says that the decision to submit a cover letter hinges on "where you are in your career journey and your personal career goals."

In addition to when it's a required part of the job posting, here are scenarios where it's in your best interest to submit one:

  • If someone referred you to the job : According to Goredema, "If you were referred to an opportunity by someone at the company or have a personal history that correlates with the role, a cover letter enables you to share that."
  • If you want to add additional information : Say the job you're applying to requires candidates to live on a specific coast. If you don't currently live in the area but are willing to relocate, mention that in your cover letter so you aren't automatically rejected based on your current location.
  • If you're changing careers : Goredema recommends writing one "if you're in the early stages of your career or making a professional pivot. A cover letter provides the opportunity to add additional context to the information included in your resume."
  • If you don't have any previous work experience : If you're new to the workforce, you may not have any applicable previous positions to include on your resume. Use your cover letter to highlight transferrable skills and explain why you think you'd still be a good fit.

Lastly, Goredema suggests that "if this is your dream job, a cover letter provides the space for you to explain with impact and highlight what you do best."

Debra Boggs, founder and CEO of D&S Executive Career Management, adds: "As long as a cover letter is well-written and error-free, it will never hurt your chances of winning an interview."

So the more important the role is to you, the more effort you should put in.

When You Shouldn't Include a Cover Letter

There are certainly times when you should send a cover letter with your resume—but are there times when you shouldn't send one in? Here are a few instances:

  • If the application platform doesn't have a space to upload one : If there isn't a space for you to attach your cover letter or other supporting documents, don't sweat it. This means that other applicants won't be able to send one either.
  • If the job posting doesn't require one : If the post specifically states that you shouldn't include a cover letter, it's not a trick. The recruiter likely doesn't plan to read it, so it's best to reserve your time for other job search activities .
  • If you aren't a strong writer : Lyons recommends forgoing a cover letter if you aren't a good writer and don't have anyone to help you. "The cover letter could be your first impression, and a badly written one—especially with grammatical errors—could make recruiters not want to screen you for the job."
  • If you don't have time : Strapped for time? Goredema suggests "[focusing] on your resume and the application requirements versus haphazardly throwing together a few sentences just to meet an application deadline."

What To Do When a Cover Letter is 'Optional'

"Optional" cover letters can feel like a trick. You want to show the recruiter you're interested in the role, but you don't want to waste your time if it isn't necessary.

Lyons recommends skipping the optional cover letter "if your resume and LinkedIn profile are complete and no further explanation is needed."

However, it can be helpful to write one if "your resume doesn't tell the whole story about you." (Think resume gaps or career changes.)

Goredema believes it can be helpful to include a cover letter, regardless of whether it's a requirement. "Why not take the opportunity? It may help you to stand out. Going the extra mile by sending a well-written, personalized cover letter can only work to your advantage versus working against you."

So it can be helpful to put in extra effort if you have more to add to your application. But you shouldn't include a subpar cover letter just for the sake of it.

7 Tips for Writing an Effective Cover Letter

Regardless of your feelings toward the now-controversial cover letter, you'll likely find yourself writing one for at least some of the jobs you apply to.

Here's how to draft one that actually grabs a recruiter's attention:

1. Keep Things Short

Lyons suggests writing "three to four paragraphs at most, with two to three sentences in each paragraph."

Goredema adds: "Avoid long rambling sentences and keep your letter concise to make it easy to read."

Even if a particular recruiter loves cover letters, they might sift through hundreds of applications to find the right candidates. So it's best to be brief.

2. Follow the Rules

Some recruiters will ask you to include a portfolio link, send the cover letter via email, ask you to answer specific questions, etc. Be sure to fully read the job post's requirements—you don't want to be counted out for failing to follow directions.

3. Don't Repeat Your Resume

Lyons cautions repeating information the recruiter already has access to. Instead, "Tell the story of you—something important that you did not cover on your resume and how that story connects to the current position."

Think of it as connecting the dots between your experience, skills and capabilities. Explain why you'd be a good fit for the role rather than repeating the skills section of your resume .

4. Use Active Voice and Action Verbs

With active voice, the subject of a sentence performs the action. Passive voice puts more emphasis on the object of the sentence.

Using active voice is more direct and straightforward. Plus, it helps keep things brief.

Aim to use active voice throughout your resume and cover letter. This will help you sound clear and confident.

Here's an example of passive voice, plus how to fix it to use active voice:

  • Passive voice : The treats were eaten by the dogs.
  • Active voice : The dogs ate the treats.

If you struggle with writing in active voice consistently, think about the action verbs you'd use to describe your skills and experiences.

For example, instead of "I was tasked with x," you could say, "I managed x."

5. Be Specific

Include specific examples (i.e., instead of "I'm a team player," allude to a situation where you were a team player). If you've ever taken a writing course, you've probably heard the advice "show don't tell." The same advice applies to your resume and cover letter.

You could say "I have marketing experience," but what does that communicate to the reader? Not much.

Be specific about your experience and accomplishments. Instead, say "I led a marketing campaign that increased quarterly newsletter sign-ups by 40%."

6. Proofread

Check your cover letter for grammar and spelling mistakes before submitting it to avoid a professional faux pas.

Use spellcheck or an external app like Grammarly, which is also compatible with web browsers.

7. Customize It

At best, a generic cover letter is boring or a little awkward. At worst, it can be unprofessional if what you wrote about has nothing to do with the job you're applying for.

Think about it this way: your cover letter might be the deciding factor between you and another candidate with the same skills and experience. So you want to grab the recruiter's attention.

You don't need to spend tons of time rewriting your cover letter for every job application, though. Here are a few things you can do to stand out:

  • Address the hiring manager or recruiter by name (you can sometimes find this information on the LinkedIn job post)
  • Include the company name and job title
  • Mention what you like about the specific company and its culture
  • Detail skills and experience specifically mentioned on the job post
