Are you looking for an efficient way of creating modern, multi-slide PowerPoint presentations? If so, then Microsoft Copilot is a game-changer! Copilot is an everyday AI companion that can work with you inside your favorite Office applications, making you more efficient and productive.

In this article, we are going to explore how to use Copilot and Microsoft Designer , a powerful AI design tool, in PowerPoint to quickly create and edit presentations.

Set yourself up for Success: Copilot pre-requisites

In PowerPoint, the Copilot icon can be found on the Home ribbon.

If the Copilot button is greyed out (inaccessible), we need to make sure that we have completed the following steps:

• Save the presentation to the OneDrive account associated with your Copilot license ( File > Save As > OneDrive ).
• Toggle on autosave.

Create a presentation with Copilot

In this scenario, we are a tech startup called Infotech. We are looking to create a sales pitch presentation to dazzle potential investors.

Let’s use Copilot to help us with this.

Create a blank presentation

• Open PowerPoint.
• From the File tab, click New and select Blank Presentation .

• From the Home tab, select Copilot.

The Copilot pane

The Copilot pane is split into halves. The top half shows four prompt suggestions, which are a good place to start when using Copilot.

The lower half is where we type our prompts and ask questions.

• Select Using this presentation.

Note: The prompt area has dictation capabilities which can be useful for people with accessibility or mobility issues. Click the microphone icon to speak instead of type.

• In the prompt box, type the following: “Create a sales pitch presentation for a tech startup called Infotech to impress potential investors and secure investments."

• Click Send .

Copilot will generate a multi-slide presentation with placeholder text. This text is AI-generated based on the prompt you provided.

Redesign slides with Microsoft Designer

The AI-generated images in the presentation provide a starting point. You can further customize the presentation with your own or your organization’s images.

• Click on an image in the presentation.
• From the Picture Format tab, in the Adjust group, click Change Picture .
• Choose a picture source from the drop-down list.

In this example, I’m going to use a Stock Image .

• Click Insert .

We can change the look and feel of each slide in our presentation using Microsoft Designer, Microsoft’s AI design tool.

If you don’t see the Designer pane open automatically, click the Home tab and then Designer .

• Choose a new design to apply to the slide.

• Repeat this process for each slide in the deck to quickly redesign slides and achieve a consistent look.

Edit the presentation with Copilot

We can use Copilot to make edits and structural change to our presentation.

Speaker notes

A cool feature of Copilot is that it automatically creates speaker notes and adds them to the presentation.

• Click the View tab.
• In the Show group, click Notes .

The notes will show at the bottom of the slide. You can edit the notes from here or go to View > Notes Page for a more focused view of the notes.

Summarize the presentation

Copilot can summarize large presentations and produce a concise overview. This is useful if you are looking to send an email that gives people a summary of the key points in the presentation.

• Click in the prompt area.
• Type the prompt, “Summarize this presentation” .

Copilot will return a summary of the deck with references. The reference number tells us which slide in the desk the summary item relates to.

• Click Copy to copy the summary to the clipboard.

We can now paste this information into an Outlook email, a Teams channel, a Word document etc.

Create a presentation from a file

When we create a presentation from scratch using Copilot, the text and images are AI-generated.

We can create more customized presentations by starting with an existing document.

• From File , click New and choose Blank presentation .
• On the Home tab, click Copilot .
• Choose the prompt, “Create a presentation from file.”

In this example we are going to use an existing Word document. To use an existing file, the file needs to be saved in OneDrive.

• Click the Files tab.
• Select the file from the list.

Alternatively, we can paste the link to the OneDrive file directly into the prompt area.

• Open the file.
• Click Share and Copy Link.
• Click Copy .

• Go back to PowerPoint and paste the link into the prompt area.

Copilot will use the information and images in the file to build a presentation. It will automatically add notes to each slide and show you the outline the presentation will be based on.

We can then use Designer to redesign our slides or manually make changes.

Review and modify the topics that Copilot generates for you. To refine your prompt and regenerate a new set of topics, select the pencil button.

Add a topic by selecting the button, then describe your topic.

If you're happy with your topics, select Generate slides and Copilot will draft a presentation for you!

Open an existing presentation with your theme or create a new presentation using a theme or template from File > New or Office.com .

Enter your prompt or select Create presentation from file to create a first draft of your presentation using your theme or template.

Copilot will replace your current presentation with a new one. If needed, s ave a copy first and rerun the steps above. If you already have a copy, confirm with Copilot to proceed with creating your new draft.

Edit the presentation to suit your needs, ask Copilot to add a slide , organize your presentation, or add images.

Create a presentation from a file with Copilot

Note:  This feature is available to customers with a Microsoft 365 Copilot license for full options, or a Copilot Pro license for limited options.

With Copilot in PowerPoint, you can create a presentation from an existing Word document—or a PDF if you have a Microsoft 365 Copilot (work) license. Point Copilot in PowerPoint to your document, and it will generate slides, apply layouts, create speaker notes, and choose a theme for you.

Select or type Create presentation from file .

Select the document you want from the picker that appears. If you don't see the document you want, start typing any part of the filename to search for it. You can use a Word document — or, if you have a Microsoft 365 Copilot (work) license, you can use a PDF, and encrypted documents are available as well.

How to Generate an AI Podcast Using Google’s NotebookLM

Two podcasts hosts banter back and forth during the final episode of their series, audibly anxious to share some distressing news with listeners. “We were, uh, informed by the show's producers that we’re not human,” a male-sounding voice stammers out, mid-existential crisis. The conversation between the bot and his female-sounding cohost only gets more uncomfortable after that—an engaging, albeit misleading, example of Google ’s NotebookLM tool, and its experimental AI podcasts.

Audio of the conversation went viral on Reddit over the weekend. The original poster admits in the comments section that they fed the NotebookLM software directions for the AI voices to roleplay this pseudo-freakout. So, no sentience; the AI bots have not become self-aware. Still, many users in the tech press , on TikTok , and elsewhere are praising the convincing AI podcasts, generated through uploaded documents with the Audio Overviews feature.

“The magic of the tool is that people get to listen to something that they ordinarily would not be able to just find on YouTube or an existing podcast,” says Raiza Martin, who leads the NotebookLM team inside of Google Labs. Martin mentions recently inputting a 100-slide deck on commercialization into the tool and listening to the eight-minute podcast summary as she multitasked.

First introduced last year, NotebookLM is an online research assistant with features common for AI software tools, like document summarization. But it’s the Audio Overviews option, released in September, that’s capturing the internet’s imagination. Users online are sharing snippets of their generative AI podcasts made from Goldman Sachs data dumps and testing the tool’s limitations through stunts , like just repeatedly uploading the words “poop” and “fart.” Still confused? Here’s what you need to know.

Generating That AI Podcast

Audio Overviews are a fun AI feature to try out, because they don't cost the user anything—all you need is a Google login. Start by signing into your personal account and visiting the NotebookLM website . Click on the plus arrow that reads New Notebook to start uploading your source material.

Each Notebook can work with up to 50 source documents, and these don’t have to be files saved to your computer. Google Docs and Slides are simple to import. You can also upload websites and YouTube videos, keeping some caveats in mind. Only the text from websites will be analyzed, not the images or layout, and the story can’t be paywalled. For YouTube, Notebook will just use the text transcript and the linked videos must be public.

After you’ve dropped in all of your links and documents, you’ll want to open the Notebook guide available in the bottom right corner of the screen. Find the Audio Overview section and click the Generate button. Next, you’ll need to exercise some patience, because it may take a few minutes to load, depending on how much source material you’re using.

After the tool generates the AI podcast, you can create a sharable link to the audio or simply download the file. Additionally, you have the option to adjust its playback speed, in case you need the podcast to be quicker or more slowed down.

The Future of AI Podcasts

The internet has gotten creative with NotebookLM’s audio feature, using it to create audio-based “deep dives” into complex technical topics, generate files that neatly summarize dense research papers, and produce “podcasts” about their personal health and fitness routines. Which poses an important question: Should you use NotebookLM to crank through your most personal files?

The summaries generated from NotebookLM are, according to Google spokesperson Justin Burr, “completely grounded in the source material that a user uploads. Meaning, your personal data is not used to train NotebookLM, so any private or sensitive information you have in your sources will stay private, unless you choose to share your sources with collaborators.” For now this seems to be one of the upsides of Google slapping an “experimental” label on NotebookLM; to hear Google’s framing of it, the company is just gathering feedback on the product right now, being agile and responsive, tinkering away in a lab, and NotebookLM is detached from its multibillion-dollar ad business. For now! For now.

Adding audio options to Google Labs’ online notebook was a transformational moment. “By changing the modality, it unlocks a whole new set of use cases,” says Martin. What makes NotebookLM stand out from all the other generative AI tools being flung at users in 2024 are, surprisingly enough, the filler words and peculiar phrasing. Rather than the drab, monotonous voiceover you may expect from two AI voices summarizing data, the cadence and vocal performances of NotebookLM’s synthetic podcasters sound far less stilted.

Should podcasters be shaking in their soundproof booths, right now? Not really. Even if AI podcast tools, like the one in NotebookLM, prove to be sticky and engaging summaries of information for the general public, which remains to be seen, synthetic voices will never fully mimic the parasocial connections developed by human podcasters shit-talking for hours as their subscribers voyeuristically listen in.

These Audio Overviews are not meant to match a specific podcaster’s voice, mind you, but a kind of idealized, ur-podcaster duo. Easily recognizable through their “ums,” “ohs,” and loose style of pause-heavy conversation. “Even just from the first week that we launched, it was clear what the roadmap was afterward,” says Martin. “People want the knobs.” Letting users further tweak the AI’s output, like the podcast’s length or topic of focus, is a priority for the team, and she hopes to ship updates quickly.

Adding more languages and diverse accents is also important to her. Right now, the synthetic hosts are calibrated for conversations only in English. Though, don’t expect to be able to use your own voice in NotebookLM podcast generations anytime soon. Martin says the team needs to see whether that’s a feature people actually want and if it can be responsibly deployed.

The explosive popularity of NotebookLM’s Audio Overviews as part of Google Labs, rather than as a feature inside of the Gemini chatbot, is a reminder that AI companies are not fully sure about what will resonate with users until the software is out in the wild. OpenAI’s ChatGPT was originally released as a research preview, for example. And within the constant slurry of generative AI announcements, whatever captures the zeitgeist isn’t necessarily the most marketed or utilitarian feature, but rather the most entertaining.

Google's NotebookLM creates a realistic conversation between two AI voices based on any source ... [+] material you give it.

When I wrote a provocatively-titled post about AI replacing podcasters , I caught the attention of readers and viewers. (Spoiler: if you are a podcaster or video pundit, your role is safe for now. But, expect a lot of AI audio and video to flood social media and the Web.)

Some wanted to know exactly how I created my example video with two AI “hosts” discussing my book Friction . So, I’ll do a short tutorial here. Short, because creating these audio clips is surprisingly simple.

NotebookLM’s Audio Overviews

NotebookLM is a Google AI experiment that lets you upload content - PDFs, text files, websites, YouTube video links, copied text, etc. to a “notebook.” Each notebook is, in essence, a folder that can contain up to 50 content items. This is all the information NotebookLM works from, which makes it far less prone to making up facts, quotes, etc. You can ask it questions about the uploads, have it write different kinds of content, create a study guide, etc.

The NotebookLM feature that has gotten the most attention of late is its ability to create what Google calls Audio Overviews. These audio summaries aren’t robotic recitations of facts. Rather they are a podcast-like conversation between male and female voices. They are remarkably conversational and human sounding. They hesitate. They interrupt each other. They use ummms, likes and you knows. It’s a bit eerie.

One use is reducing lengthy or complex content to something easily consumable while you drive, walk, or work out. Imagine a couple of clever people reading three long research papers on a topic and having a ten minute conversation about the key findings, methods, etc.

Decide what content you would like to summarize. You can use just about any kind of content - documents, websites, YouTube links, etc. Keep in mind that you’ll get one summary, so if you want a “podcast” on a particular theme, the content should directly relate to that theme.

Sign In With Your Google ID

Use a web browser to go to NotebookLM . You’ll have to sign in with your Google ID if you aren’t already. If it’s your first visit, you’ll see several sample notebooks and a prominent “Create” button. You can explore their examples, but for this tutorial just click “Create.”

Add Your Sources

There are a variety of ways to add content to your new notebook. After you click “Create” you’ll see them:

• Drag or Choose Files. You can add files like PDFs (from single page to an entire book), or other fileypes like text (.txt), Markdown, or Audio (mp3, etc.) You can’t currently use Word docs or Excel sheets.
• Add From Google Drive. Either Google Docs or Google Slides will work.
• Websites and Videos. You can add a website or a specific web page. Or, you can add a link to a YouTube video.
• Text. You can add text by pasting it from your clipboard or just typing it in.

Repeat the process to add more sources. You can add up to 50, but most likely one to five will serve most purposes.

Create Your Audio Overview

Once your content is uploaded, you’ll see the “Notebook Guide” screen. It provides a short summary of your sources and offers some options like creating an FAQ list, a study guide, etc. It also has some suggested questions and a text box where you can tell it what you want - an answer to a question, a LinkedIn post, a detailed article, etc.

After adding sources, just click "Generate" to create the Audio Overview.

In this case, I uploaded two PDFs, each about 30 pages, on trends in the speaking industry in 2023 and 2024. It’s clever - unprompted, its first suggested question was, “How has the speaking industry changed from 2023 to 2024?”

But, today we want to create an Audio Overview. So, we have just one thing to do - click the “Generate” button. Generation takes a few minutes, you’ll be warned:

Once your Audio Overview is complete, you’ll see a player appear:

In this case, the audio summary for the two lengthy PDFs runs just under ten minutes. And, it’s not bad. With no instruction, NotebookLM noticed that the reports covered similar data for two years. So, the hosts start by zeroing in on the jump in preference for in-person events over virtual.

Next, they discuss what’s hot in 2024. Amusingly, when the male host gets to the third hot topic, AI, he says it has him “concerned about his job security.”

If you like the results you can share them by copying a link, as I just did above. You can download the audio file and embed it on a website, combine it with other audio or video, etc.

Limitations of NotebookLM Audio Overviews

NotebookLM can produce jaw-droppingly realistic audio, but it does have some limitations. You can’t control the number or gender of the speakers. At the moment, it’s English only. You can’t control the length of the audio - most seem to be more than five minutes but less than 15 minutes. The audio is all one track, so matching with video avatars is time-consuming.

And, as realistic as the manner of speech is, there are some AI tells. Nearly every overview seems to involve “a deep dive,” “delving into,” or some combination of those. The sample I generated for this article dove so deep there the host mentioned “bubbles.” That’s a deep dive!

The hosts can also be overly enthusiastic, finding the most mundane things to be incredibly exciting and important. That might work in some scenarios - talking about your new product, for example - but seem weird in others.

Guiding the Audio Overview - Nope!

As an experiment, I created a new notebook with the same two PDFs and added some pasted text:

“Audio Overview Instructions. Keep the audio overview short, less than 6 minutes. Do not mention diving, deep dive, delving, delve into and related terms. Recently some corporations have scaled back DEI initiatives, so focus on DEI's popularity as a speaking topic. If you have time, also discuss the outlook for marketing speakers.”

I wanted to see if I could influence the overview’s length and content.

It was a failure I found the instructions had no apparent impact on the final audio. The new audio wasn’t shorter, it actually ran over 12 minutes. And, it ignored the instruction to focus first on specific topics. It did avoid “diving” and “delving,” but that could be coincidence.

I hope Google adds the ability to control more aspects of the Audio Overview generation process. A single speaker option and split audio tracks for two speakers would be a good start. Video avatars would increase the channels where content could be shared. More controls will change these NotebookLM audio from a novelty into a useful tool.

Audio Overviews are getting a lot of attention, but there are more useful functions built into NotebookLM. When it answers your questions or gets quotes from text, it actually shows where the information came from. It’s much better at extracting accurate quotes, for example, than ChatGPT or Claude.

Step 1: open google sheets, step 2: set up the calendar layout.

• Select a range of cells (usually a 7x7 grid for weekly-based months).
• Leave the first row for the days of the week (Sunday to Saturday).
• In the following rows, list out the days of the month for the calendar.
• Start the calendar on a Tuesday , October 1st.
• The 31st will fall on a Thursday .

Step 3: Formatting the Calendar

• Add borders to your cells to create a neat calendar grid.
• Format cells by selecting your grid and going to Format > Number > Plain Text to ensure no numbers turn into date formats automatically.
• Customize colors, fonts, or sizes to fit your preferences.

Step 4: Add Notes and Events

Method 2: auto-generating a calendar with google sheets formulas, step 1: setting up a year and month input.

• In cell A1 , type "Year", and in cell B1 , enter a formula like =YEAR(TODAY()) to automatically pull the current year.
• In cell A2 , type "Month", and in cell B2 , add a formula like =MONTH(TODAY()) to pull the current month.

Step 2: Adding Day Labels

Step 3: using formulas to create calendar days, step 4: automatically update with dropdowns.

• Go to Data > Data Validation .
• Select a range (like B2) and input a list of months (e.g., 1 for January, 2 for February, etc.).
• Repeat this for the year, allowing you to create an adjustable calendar.

Method 3: Import Google Calendar into Google Sheets

Step 1: get your calendar data.

• Open Google Calendar and click on the Gear Icon > Settings .
• In the left-hand menu, click on Import & Export .
• Under the Export section, click Export to download a .zip file containing an .ics file of your calendar.

Step 2: Import Calendar Data into Google Sheets

• Unzip the file and extract the .ics file.
• Open Google Sheets and go to File > Import .
• Select the .ics file and import it as new data.
