  • What is a balance sheet?

The balance sheet provides a snapshot of the overall financial condition of your company at a specific point in time. It lists all of the company’s assets, liabilities, and owner’s equity in one simple document.

A balance sheet always has to balance—hence the name. Assets are on one side of the equation, and liabilities plus owner’s equity are on the other side.

  • What is the purpose of the balance sheet?

Put simply, a balance sheet shows what a company owns (assets), what it owes (liabilities), and how much owners and shareholders have invested (equity).

Including a balance sheet in your business plan is an essential part of your financial forecast , alongside the income statement and cash flow statement.

These statements give anyone looking over the numbers a solid idea of the overall state of the business financially. In the case of the balance sheet in particular, what it’s telling you is whether or not you’re in debt, and how much your assets are worth. This information is critical to managing your business and the creation of a business plan.

The balance sheet includes spending and income that isn’t in the income statement (also called a profit and loss statement). For example, the money you spend to repay a loan or buy new assets doesn’t show up in the income statement. And the money you take in as a new loan or a new investment doesn’t show up in the income statement either. The money you are waiting to receive from customers’ outstanding invoices shows up in the balance sheet, not the income statement.

Among other things, your balance sheet can be used to determine your company’s net worth. By subtracting liabilities from assets, you can determine your company’s net worth at any given point in time.

  • Key components of the balance sheet

Typically, a balance sheet is divided into three main parts: Assets, liabilities, and owner’s equity.

Assets on a balance sheet or typically organized from top to bottom based on how easily the asset can be converted into cash. This is called “liquidity.” The most “liquid” assets are at the top of the list and the least liquid are at the bottom of the list.

In the context of a balance sheet, cash means the money you currently have on hand. In business planning, the term “cash” represents the bank or checking account balance for the business, also sometimes referred to as “cash and cash equivalents” or “CCE.”

A cash equivalent is an asset that is liquid and can be converted to cash immediately, like a money market account or a treasury bill.

Accounts receivable

Accounts receivable is money people are supposed to pay you, but that you have not actually received yet (hence the “receivables”).

Usually, this money is sales on credit, often from business-to-business (or “B2B”) sales, where your business has invoiced a customer but has not received payment yet.

Inventory includes the value of all of the finished goods and ready materials that your business has on hand but hasn’t sold yet.

Current assets

Current assets are those that can be converted to cash within one year or less. Cash, accounts receivable, and inventory are all current assets, and these amounts accumulated are sometimes referenced on a balance sheet as “total current assets.”

Long-term assets

Long-term assets are also referred to as “fixed assets” and include things that will have a long-standing value, such as land or equipment. Long-term assets typically cannot be converted to cash quickly.

Accumulated depreciation

Accumulated depreciation reduces the value of assets over time. For example, if a business purchases a car, the car will lose value as time goes on.

Total long-term assets

Total long-term assets is used to describe long-term assets plus depreciation on a balance sheet.

Liabilities

Like assets, liabilities are ordered by how quickly a business needs to pay them off. Current liabilities are typically due within one year. Long-term liabilities are due at any point after one year.

Accounts payable

Accounts payable is the money that your business owes to other vendors, the other side of the coin to “accounts receivable.” Your accounts payable number is the regular bills that your business is expected to pay.

Pay attention to whether this number is exceedingly high, especially if your business doesn’t have enough to cover it.

Sales taxes payable

This only applies to businesses that don’t pay sales tax right away, for example, a business that pays its sales tax each quarter. That might not be your business, so if it doesn’t apply, skip it.

Short-term debt

This is debt that you have to pay back within a year—usually any short-term loan. This can also be referred to on a balance sheet as a line item called current liabilities or short-term loans. Your related interest expenses don’t go here or anywhere on the balance sheet; those should be included in the income statement.

Total current liabilities

The above numbers added together are considered the current liabilities of a business, meaning that the business is responsible for paying them within one year.

Long-term debt

These are the financial obligations that it takes more than a year to pay back. This is often a hefty number, and it doesn’t include interest. For example, this number reflects long-term loans on things like buildings or expensive pieces of equipment. It should be decreasing over time as the business makes payments and lowers the principal amount of the loan.

Total liabilities

Everything listed above that you have to pay out or back is added together.

This is the sum of all shareholder money invested in the business and accumulated business profits. Owner’s equity includes common stock, retained earnings, and paid-in-capital.

Paid-in capital

Money is paid into the company as investments. This is not to be confused with the par value or market value of stocks. This is actual money paid into the company as equity investments by owners.

Retained earnings

Earnings (or losses) that have been reinvested into the company, that have not been paid out as dividends to the owners. When retained earnings are negative, the company has accumulated losses. This can also be referred to as “shareholder’s equity.”

This doesn’t apply to all legal structures for a business; if you are a pass-through tax entity , then all profits or losses will be passed on to owners, and your balance sheet should reflect that.

Net earnings

This is an important number—the higher it is, the more profitable your company is. This line item can also be called income or net profit. Earnings are the proverbial “bottom line”: sales less costs of sales and expenses.

Total owner’s equity

Equity means business ownership, also called capital. Equity can be calculated as the difference between assets and liabilities. This can also be referred to as “shareholder’s equity” or “stockholder’s equity.”

This is the final equation I mentioned at the beginning of this post, assets = liabilities + equity.

  • How to use the balance sheet

Your balance sheet can provide a wealth of useful information to help improve financial management. For example, you can determine your company’s net worth by subtracting your balance sheet liabilities from your assets, as noted above.

Overall, the balance sheet gives you insights into the health of your business. It’s a snapshot of what you have (assets) and what you owe (liabilities). Keeping tabs on these numbers will help you understand your financial position and if you have enough cash to make further investments in your business.

Perhaps the most useful aspect of your balance sheet is its ability to alert you to upcoming cash shortages. After a highly profitable month or quarter, for example, business owners sometimes get lulled into a sense of financial complacency if they don’t consider the impact of upcoming expenses on their cash flow .

There are two easy-to-figure ratios that can be computed from the balance sheet to help determine whether your company will have sufficient cash flow to meet current financial obligations:

Current ratio

This measures liquidity to show whether your company has enough current (i.e., liquid) assets on hand to pay bills on-time and run operations effectively. It is expressed as the number of times current assets exceeds current liabilities.

The higher the current ratio, the better. A current ratio of 2:1 is generally considered acceptable for inventory-carrying businesses, although industry standards can vary widely. The acceptable current ratio for a retail business, for example, is different from that of a manufacturer.

Your profit & loss statement will show you the sales you are making and your business expenses and calculates your profitability. This is crucial for understanding the core economics of your business and if you’re building a profitable business, or not.

Your cash flow forecast shows how cash is moving in and out of your business and can help you predict your future cash balances. Fast growth can reduce cash quickly, especially for businesses that carry inventory, so this is a crucial statement to pay attention to as well.

The three statements all work together to provide you with a complete picture of your business. The balance sheet also helps illustrate how cash and profits are very different things .

  • Example of a balance sheet

Large businesses will have longer and more complex balance sheets for their businesses, sometimes having separate balance sheets for different segments or departments of their business. A small business balance sheet will be more straightforward and have fewer line items.

Here is a balance sheet from Apple, for example. You’ll see that it includes a complex stockholder’s equity section and several specifically itemized types of long-term assets and liabilities.

You’ll also notice that it says “Period Ending” at the top; this indicates that these numbers are reflective of the time up until the date listed at the top of the column. This terminology is used when you are reporting actual values, not creating a financial forecast for the future.

Use a Financial Plan Sample

In your business finance analysis.

Use a financial plan sample from a business within your industry to help you build a stronger financial plan. Small business finance software can also help you conduct an effective business finance analysis and strengthen your operation.

Business Finance Analysis:

You can use sample financial plans to calculate ratio comparisons (liquidity, profitability, solvency, and efficiency ratios).

You can also use the data from the sample (or samples if you can access other businesses' annual reports in your industry) and run the information through small business finance software; then compare to your data.

These comparisons help you conduct a comprehensive business finance analysis and assess whether or not you are tracking, or out-performing, your competitors.

If the only comparisons or samples you can access are of different sized companies (much larger or much smaller), use weighted averages to help you compare.

Once you've completed the analysis of your data, complete your own business financial plan . You've now got a reality check in the form of the plan sample that you've analyzed.

To finish writing your business financial plan, ensure that you add assumptions and summary or discussion notes to your plan.

Financial Plan Sample: Summary or Discussion Notes

For instance, if you are a small business owner for a marketing services firm, your summary or discussion notes might look like:

Sample Summary on Projected Net Income: Our revenue projections for the 5 year plan include increases of 4% per year, with the exception of year 1 where we project an increase of 8%, based on a recent service contract we have signed with XYZ Corporation. It is a one year contract, with an option to renew in year 2 at the same price, plus inflation.

Our cost of sales is 58% of gross revenues in year 1, falling back to 54% of gross revenues in years 2 to 5. Marketing and Sales expenses, which include advertising, promotions, client entertainment, and travel, are 10% on average of net sales.

Add comments on all projected large expenses (property, computers, etc.).

Net income is projected to increase by about 27 percent in year 1: from $32,150 to $41,000; from $41,000 to $58,000 in year 2; and so on.

Sample Summary on Cash Flow Projection: The assumption is that the planned growth in year 1 will require additional cash to hire more staff or contract workers to support the sales growth.

In this summary statement, explain how you will support your cash needs (bank line of credit, shareholder's loan, prepaid contract, etc.).

From year 2 on, your cash needs should decline since you now have the additional income from the large sales contract in year 1. Year end cash from years 2 onward should have a positive cash balance in your projections.

And continue your comments on each section of your plan.

Your Business Financial Plan needs to include:

  • Cash flow projections by month; and by year;
  • Pro forma Balance Sheet, by year;
  • Business Financial Ratios, by year (calculate ratios; like liquidity, profitability, efficiency and solvency);
  • Pro Forma Income Statement, by year;
  • Include a capital expenditures plan if your business has significant capital expenditures in its near-term horizon.

In your financial plan you must include your assumptions.

Some Financial Plan Sample Assumptions include:

  • data from your forecast or sales plan;
  • cost of goods and/or services;
  • inflation rates (actual and/or projected);
  • impact of foreign currency;
  • impact of any major economic factor - e.g. national elections;
  • impact of large contract/new business;
  • impact of worker shortage;
  • impact of property or tax increases or end of lease during period;
  • bank interest rates;
  • staffing and/or operations impacts (e.g. new hires; employee compensation plans - i.e growth, increases or decreases, new equipment; new software);
  • and so much more.

Typically these assumptions are listed at the end of your business financial plan.

When building your own business plan, you must include a realistic financial plan (it's easy to be overly optimistic, especially when starting out). To help you build realism into your plan, your business financial analysis needs to include a review of a financial plan sample (or samples), preferably within your industry.

Once you've built your plan, you need to implement it.

Developing your strategy (in the plan) is the first, necessary, step. You need to know the direction you want to go, and you need the strategy and the plan to help you get there.

But once you've built the plan, you must execute it.

There is no value in building a plan that just gathers dust.

When building your business plan, make sure that you include an action plan for the strategies, techniques and tactics.

The actions need to include who's responsible for doing what; measurements for success (such as deadlines and timelines, targets and goals, costs, etc.); and why you need to take the action (in some cases, one action needs to be accomplished before subsequent ones can be launched).

As you work through the plan, make sure that you build reporting periods into the implementation: you need to know what's going on and why something is working, or not.

Make sure to communicate progress, or lack of it, throughout the organization. And re-visit the plan when and where necessary.

With the basic outline in mind, let‘s dive into how to approach writing each section of your e-commerce business plan.

1. Executive Summary

The executive summary is a concise overview of your entire business plan. It‘s the first thing people will read, so it‘s critical that it‘s engaging and persuasive. Even though it appears at the beginning of your plan, it‘s usually written last after you‘ve fleshed out the other sections.

Key elements to include in your executive summary:

  • Your e-commerce business idea and unique value proposition
  • Overview of your products or services
  • Target market and opportunity
  • Competitive advantage
  • Financial highlights and funding needs
  • Milestones and traction to date

The goal is to pique the reader‘s interest and convince them that your e-commerce business is viable, lucrative, and worthy of their investment. Keep it concise—aim for 1-2 pages max. You‘ll expand on the details in later sections.

Example: Warby Parker‘s executive summary does a great job distilling their unique value prop, target market, and competitive advantage:

2. Company Overview

This section provides background information on your e-commerce company, team, and business model. Key points to cover:

  • Origin story and company history
  • Mission, vision, and values
  • Team member bios and relevant experience
  • Business model and revenue streams
  • Partnerships, certifications, or awards

Use this section to give readers a sense of who you are, what you stand for, and where you‘re going as a company. If you have an interesting backstory or a noble cause at the heart of your brand, this is the place to share it.

Example: Bombas, the e-commerce sock retailer, dedicates a section of their business plan to explaining their one-for-one giving model and how it aligns with their mission:

3. Market Analysis

A thorough market analysis helps you demonstrate the need and opportunity for your e-commerce business. It should include:

  • Industry outlook and e-commerce trends
  • Target market demographics and psychographics
  • Buyer personas and customer pain points
  • Competitor analysis and SWOT
  • Potential barriers to entry

Support your research with credible data from sources like industry associations (e.g. National Retail Federation), market research firms (e.g. eMarketer), and government databases (e.g. U.S. Census Bureau).

  • Pricing strategy and positioning
  • Product sourcing and manufacturing
  • Intellectual property or patents

Use this section to showcase how your products solve real customer needs and set your brand apart from competitors. If you have any data or social proof demonstrating demand for your products (e.g. waitlist signups, customer reviews, etc.), include that as well.

Example: Allbirds‘ business plan highlights the innovative materials used in their sustainable sneakers:

5. Marketing Plan

No e-commerce business can thrive without a solid digital marketing strategy to attract and retain customers. Your marketing plan should spell out:

  • Brand positioning and messaging

7. Financial Plan

Finally, your financial plan should include a detailed look at your e-commerce startup‘s financial needs and projections, including:

  • Break-even analysis
  • 3-5 year financial projections (revenue, expenses, profit)
  • Cash flow forecast
  • Funding needs and plans

If you‘re seeking outside investment, focus on painting a compelling growth story backed up by realistic assumptions and projections. Highlight your expected margins, customer acquisition costs, and lifetime value.

Example: Men‘s grooming brand Harry‘s financial plan emphasizes their profitable unit economics:

Our projected gross margins are 60%+ with a CAC:LTV ratio of 1:3. Below we detail what should be included with each section of your business plan for a butcher shop.

Executive Summary

Your executive summary provides an introduction to your business plan, but it is normally the last section you write because it provides a summary of each key section of your plan.

The goal of your Executive Summary is to quickly engage the reader. Explain to them the type of meat shop you are operating and the status. For example, are you a startup, do you have a butcher shop that you would like to grow, or are you operating a chain of independent butcher shops?

Next, provide an overview of each of the subsequent sections of your plan. For example, give a brief overview of the meat industry. Discuss the type of butcher shop you are operating. Detail your direct competitors. Give an overview of your target market. Provide a snapshot of your marketing plan. Identify the key members of your team. And offer an overview of your financial plan.  

Company Analysis

In your company analysis, you will detail the type of butcher shop you are operating.

For example, you might operate one of the following types of butcher businesses:

  • Deli Butcher Shop : this type of meat shop specializes in cutting deli meats in small quantities for single or family size servings.
  • Specialty Butcher Shop: this type of meat shop focuses on cutting specific meats such as wild game animals; their clients are usually hunters or fishermen.
  • Abattoir Butcher: this type of meat shop specializes in cutting meats in wholesale sizes at abattoir/slaughterhouse.

In addition to explaining the type of butcher business you will operate, the Company Analysis section of your business plan needs to provide background on the business.

Include answers to question such as:

  • When and why did you start the business?
  • What milestones have you achieved to date? Milestones could include the number of customers served, number of positive reviews, total weight of fresh meat cuts, etc.
  • Your legal structure. Are you incorporated as an S-Corp? An LLC? A sole proprietorship? Explain your legal structure here.

Industry Analysis

In your industry analysis, you need to provide an overview of the meat industry.

While this may seem unnecessary, it serves multiple purposes.

First, researching the meat industry educates you. It helps you understand the market in which you are operating.

Secondly, market research can improve your strategy, particularly if your research identifies market trends.

The third reason for market research is to prove to readers that you are an expert in your industry. By conducting the research and presenting it in your plan, you achieve just that.

The following questions should be answered in the industry analysis section of your meat shop business plan:

  • How big is the meat and poultry industry (in dollars)?
  • Is the market declining or increasing?
  • Who are the key competitors in the market?
  • Who are the key suppliers in the market?
  • What trends are affecting the industry?
  • What is the industry’s growth forecast over the next 5 – 10 years?
  • What is the relevant market size? That is, how big is the potential market for your butcher shop? You can extrapolate such a figure by assessing the size of the market in the entire country and then applying that figure to your local population.

Customer Analysis

The customer analysis section must detail the customers you serve and/or expect to serve.

The following are examples of customer segments: individuals, families, deli shops, grocery stores, restaurants and fast food suppliers.

As you can imagine, the customer segment(s) you choose will have a great impact on the type of business you operate. Clearly, a family would respond to different marketing promotions than fast food supplier, for example.

Try to break out your target market in terms of their demographic and psychographic profiles. With regards to demographics, include a discussion of the ages, genders, locations and income levels of the customers you seek to serve. Because most butcher shops primarily serve customers living in their same city or town, such demographic information is easy to find on government websites.

Psychographic profiles explain the wants and needs of your target customers. The more you can understand and define these needs, the better you will do in attracting and retaining your customers.

Competitive Analysis

Your competitive analysis should identify the indirect and direct competitors your business faces and then focus on the latter.

Direct competitors are other butcher shops.

Indirect competitors are other options that customers have to purchase from that aren’t direct competitors. This includes delis, supermarkets and grocery stores.

With regards to direct competition, you want to describe the other butcher shops with which you compete. Most likely, your direct competitors will be house flippers located very close to your location.

For each such competitor, provide an overview of their businesses and document their strengths and weaknesses. Unless you once worked at your competitors’ businesses, it will be impossible to know everything about them. But you should be able to find out key things about them such as:

  • What types of customers do they serve?
  • What types of meats do they specialize in?
  • What is their pricing (premium, low, etc.)?
  • What are they good at?
  • What are their weaknesses?

With regards to the last two questions, think about your answers from the customers’ perspective. And don’t be afraid to ask your competitors’ customers what they like most and least about them.

The final part of your competitive analysis section is to document your areas of competitive advantage. For example:

  • Will you provide a wider variety of meat options?
  • Will you provide special discounts or perks for new or returning customers?
  • Will you provide the highest quality meat?
  • Will you offer better pricing?

Think about ways you will outperform your competition and document them in this section of your plan.  

Marketing Plan

Traditionally, a marketing plan includes the four P’s: Product, Price, Place, and Promotion. Your marketing plan should include the following:

Product : In the product section, you should reiterate the type of meat shop that you documented in your Company Analysis. Then, detail the specific meat products you will be offering. For example, will other food options such as side dishes?

Price : Document the prices you will offer and how they compare to your competitors. Essentially in the product and price sub-sections of your marketing plan, you are presenting the services you offer and their prices.

Place : Place refers to the location of your business. Document your location and mention how the location will impact your success. For example, is your business located in a busy retail district, or a highly trafficked area? Discuss how your location might be the ideal location for your customers.

Promotions: The final part of your marketing plan is the promotions section. Here you will document how you will drive customers to your location(s). The following are some promotional methods you might consider:

  • Advertising in local papers and magazines
  • Reaching out to local websites
  • Social media marketing
  • Local radio advertising

Operations Plan

While the earlier sections of your meat shop business plan explained your goals, your operations plan describes how you will meet them. Your operations plan should have two distinct sections as follows.

Everyday short-term processes include all of the tasks involved in running your butcher shop, including cutting meats, tracking inventory, and completing orders and sales for customers.

Long-term goals are the milestones you hope to achieve. These could include the dates when you expect to have X number of customers, or when you hope to reach $X in revenue. It could also be when you expect to expand your business to a new city.  

Management Team

To demonstrate your butcher shop’s ability to succeed, a strong management team is essential. Highlight your key players’ backgrounds, emphasizing those skills and experiences that prove their ability to grow a company.

Ideally you and/or your team members have direct experience in food service management. If so, highlight this experience and expertise. But also highlight any experience that you think will help your business succeed.

If your team is lacking, consider assembling an advisory board. An advisory board would include 2 to 8 individuals who would act like mentors to your business. They would help answer questions and provide strategic guidance. If needed, look for advisory board members with experience in overseeing supermarkets or grocery stores or successfully running their own business.  

Financial Plan

Your financial plan should include your 5-year financial statement broken out both monthly or quarterly for the first year and then annually. Your financial statements include your income statement, balance sheet and cash flow statements.

Income Statement : an income statement is more commonly called a Profit and Loss statement or P&L. It shows your revenues and then subtracts your costs to show whether you turned a profit or not.

In developing your income statement, you need to devise assumptions. For example, will you only cut meats in small portions or in large quantities for other businesses such as a supermarket?
