1. Choose Fonts That Improve Readability

Most PowerPoint presentations include two different types of text titles or headings and paragraph text. When designing both types of text, you need to take readability into account.

Where are you presenting your slideshow? Will it be at a big conference for a big crowd? Or a small team meeting at the office? Depending on the situation, choose a font and a font size appropriately. For example, if you’re presenting the slideshow to a crowd at a large hall, you may want to use an easy to read sans-serif font with larger font size for paragraph text to let people in every corner read the text more easily.

2. Use No More Than Two Fonts

It’s best to use two different fonts for your titles and paragraph text. But, avoid using more than two fonts. Some people actually use one font for titles, one for bullet points, one for paragraphs, and another for sub-headings. This is a mistake that only creates confusion and destroys professionalism.

An important point for PowerPoint presentations is to choose a suitable font that is easy to read but at the same time shouldn't be boring. Are you still looking for a good font for your presentation? We have listed a few tips for you here.

Serif or Sans Serif font?

Serif fonts are fonts that have fine lines at the end of the letters, such as the Times New Roman font. They are especially used in print.

Fonts without serifs appear more modern and are easier to read, which is why it makes sense to use a sans serif font for the texts. The resolution of these fonts is also better on the beamer, which is why they are mostly used for presentations.

However, you should always pay attention to the topic you are giving your presentation on. Above all, you should bear in mind that serif fonts tend to look older, while sans-serif fonts look modern. Think about what you want to communicate with your presentation and then choose a suitable font.

Which fonts look good together?

To avoid your presentation looking messy or confusing, do not combine more than 2 fonts. It is best to use a different font for headings than for bullet points.

When combining different fonts, make sure that the two fonts are not too similar and that they differ from each other. The contrast between them should also not be too great, otherwise the whole thing will look inharmonious. It makes sense to combine a serif font with a sans serif font.

Another possibility is to combine fonts from the same font family. The contrast is usually created by different stroke widths and the text looks harmonious.

What is a good font size for PowerPoint presentations?

When choosing the font size, it is best to consider where the presentation will be given and how far away the audience is. The font should be large enough to be easily read from the very back.

Headings should be somewhere between 40pt and 50pt. The individual bullet points should not be smaller than 20pt and can be up to about 32pt.

To make the presentation easy to read, it is important to have a high contrast between the background and the font. It is best to always use a light font on a dark background or vice versa. The best contrast is between black and white.

This is a rather new font and therefore optimised for the screen. Its particularly wide spaces make it easy to read.

Like Verdana, Segoe UI is particularly easy to read on the screen. Its narrower character spacing also makes it very suitable for headlines.

Corbel appears very organized, clear and serious. It has also been optimised for presentations and is still easy to read even at greater distances.

Palatino is a rather unusual font that stands out from all the default fonts. It looks very elegant and is easy to read.

This is one of the oldest fonts and is more of a font style that includes fonts such as Garamond ITC and Adobe Garamond.

Tahoma is a very legible and clear font that is especially popular for presentations.

Century Gothic

Century Gothic has a geometric style and is particularly suitable for headlines and small amounts of text.

Script, italic and decorative fonts tend to read slowly and interrupt the flow of reading. It is better to avoid such fonts in your presentations.

How to Use Custom Fonts for PowerPoint Presentations

Microsoft PowerPoint Online does not allow you to use custom fonts. If you only have access to this version of PowerPoint, you’ll need to stick to the default fonts it comes with.

Based on our list, this means sticking to fonts that say “included with PowerPoint” in the Price section of each list item.

For the desktop version of PowerPoint , follow these steps to upload a custom font into the application:

• Download a copy of the font you want to add to PowerPoint.
• Custom fonts need to be in TTF (TrueType Font) or OTF (OpenType Font) file formats in order to use them in PowerPoint. If your font came in a ZIP folder, unzip the folder to extract the correct file format.
• Double click this file. This opens a window that contains a preview of the font you downloaded.
• Click the Install button in the window. It’s located toward the top.
• If your font came with additional styles (bold, italic, extra bold, etc.), you may see additional TTF and OTF files, one for each additional style. Go through the same process of double clicking and installing each one if you want to use them in PowerPoint.
• Restart your computer (or PowerPoint, at the very least).

That’s it! The font should now be available for use in PowerPoint.

The process is similar on a Mac.

After Step 2, open Font Book on your Mac. Then, drag and drop any files you want to use in PowerPoint from its original folder over to Font Book.

Embedding Fonts in PowerPoint Presentations

If you want to ensure your PowerPoint presentation features all of the custom fonts you used (instead of the app’s default ones), you need to embed them into your final presentation file.

Otherwise, custom fonts will only appear when you show the presentation on a computer that has the font installed.

Here are the steps for embedding fonts on a PC:

• Click File, then Options.
• Open the Save tab.
• Look for the “Preserve fidelity when sharing this document” setting. It’s located at the bottom.
• Make sure the “Embed fonts in the file” option is selected, then click OK.
• Save/export your presentation as usual.

Follow these steps to embed fonts on a Mac:

• Select Preferences.
• Look for the Output and Sharing section, then click Save.
• Look for the “Font Embedding” setting.
• Make sure the “Embed fonts in the file” option is selected.

How to Choose the Best Fonts for PowerPoint Presentations

PowerPoint presentations are akin to signs, posters and even billboards you see as you drive along the highway.

They’re filled with information but are often paired with visuals designed to grab your attention and complement the words they’re attributed to.

However, a good sign or billboard can grab your attention with either. Each slide in your presentation should do the same.

Yes, the visuals in your presentation do a lot, but don’t discredit the power typography can play when it comes to conveying a message or providing facts.

So, instead of choosing any old font to add to your PowerPoint, choose the best fonts for your presentation instead.

It’s best to choose no more than two fonts that complement each other: one for headings and a second for text.

Your heading font should captivate your viewers at a moment’s glance. It should also look good in larger font sizes.

Visby CF, Tahoma, Caridora, Frunch, Addington, and RNS Camelia are all great options for headings.

They each have different styles, though, so make sure you choose one that complements your presentation’s content as well.

For example, Addington is a bit of a fancier, more elegant font. It likely wouldn’t be suitable for a presentation on skateboarding.

It’s best to choose a simpler font for text.

This is because text in PowerPoint presentations is used to convey more information (and words) than headings.

Stick with sans-serif fonts for text since they’re easier to read.

Tahoma, Palatino Lintoype, Bergen Sans, Fonseca, and RNS Sanz are good choices.

Download and install custom fonts to use with Office

Most applications (such as Microsoft Word, Excel, and PowerPoint) include fonts that are automatically installed when you install the software. For example, applications that are created especially for document design projects, such as Microsoft Publisher, often come with quite a few extra fonts that you can use with any other program on your computer.

However, sometimes you may want to install custom fonts that you've created, purchased or downloaded from somewhere else. In this article we'll talk about how to install those fonts so you can use them in Microsoft Office.

Locate custom fonts on the Web

In addition to acquiring and using fonts installed with other applications, you can download fonts from the Internet. Some fonts on the Internet are sold commercially, some are distributed as shareware, and some are free. The Microsoft Typography site site provides links to other font foundries (the companies or individuals outside of Microsoft who create and distribute fonts) where you can find additional fonts.

After you find a font that you would like to use with an Office application, you can download it and install it through the operating system that you are currently using on your computer. Because fonts work with the operating system, they are not downloaded to Office directly. You should go through the system's Fonts folder in Windows Control Panel and the font will work with Office automatically. On the Mac you use the Font Book to add the font and then copy it to the Windows Office Compatible folder.

Many third parties outside of Microsoft package their fonts in .zip files to reduce file size and to make downloading faster. If you have downloaded a font that is saved in .zip format double-click the zip file to open it.

Install a custom font you have downloaded

Once you've downloaded the font you want to install you need to install it in the operating system. Once the font is properly installed in the operating system Microsoft Office will be able to see and use it. For detailed instructions select the operating system you're using from the drop-down box below.

• Select your operating system
• Windows 7, 8, 10, or 11

Find the font file that you downloaded, keeping in mind that it may be contained within a .zip file. It's probably located in your downloads folder.

Double-click the font file to open it in the Font Previewer

Close the Font Previewer, and open your Office program. You should now see your new font included on the font list.

Find the font file you downloaded - it likely has a .ttf or .otf extension and it's probably in your downloads folder. Double-click on it.

Note:  If the font file has a .zip extension you need to open that .zip file and open the font file from there.

It will open in the font previewer. Click Install Font . It will open in the Font Book .

Close the Font Book . Your font should now be available to Microsoft Office.

Note:  If you're using Office 2011 for Mac, you may need to drag and drop the font to the Windows Office Compatible collection in the Font Book to make it available to Microsoft Office.

Sharing files that contain non-standard fonts

When you install a custom font, each font will work only with the computer you've installed it on. Custom fonts that you've installed on your computer might not display the same way on a different computer. Text that is formatted in a font that is not installed on a computer will display in Times New Roman or the default font.

Therefore, if you plan to share Microsoft Office Word, PowerPoint, or Excel files with other people, you'll want to know which fonts are native to the version of Office that the recipient is using. If it isn't native, you may have to embed or distribute the font along with the Word file, PowerPoint presentation, or Excel spreadsheet. Choosing the Right Font For Your PowerPoint Presentation

Whether it’s for a professional conference or middle school book report, it’s important to know the best font to use for your PowerPoint presentation . Believe it or not, fonts are a big part of the overall design of your presentation —and they can make a world of difference! Some convey a lighthearted message, while others can show authority, and so on.

In this guide, we’ll take a closer look at:

• The different styles of fonts
• The 5 most popular fonts
• How to embed fonts, and more.

What are the different styles of fonts? Before we get too deep into each font and what looks best, let’s examine font styles and how they’re classified.

• Sans-serif fonts. Most serif fonts are easy to identify because of the tiny flags or projections on the ends of the characters. Serifs make distinguishing a lowercase L from a capital I in print easy.
• Serif fonts. Sans-serif fonts are commonly used in digital media because serifs can make letters difficult to see if an image or screen is low-resolution.
• Script fonts. Script fonts are also known as handwritten fonts because of the looping letters that make them look like cursive or calligraphy. Most people find it difficult to read more than a few sentences in a script font, so they’re best limited to a few words or a single phrase.
• Monospaced fonts. Even when writing by hand, you’ll notice that not all letters take up the same amount of space. Monospaced fonts buck this trend by allotting the same amount of space laterally for all letters, similar to a typewriter.
• Display fonts. Display fonts can also be known as fantasy or decorative fonts. These aren’t typically used for anything besides signage, banners, logos, or other text that’s isolated. Using display fonts for multiple sentences or a full paragraph isn’t a good practice because they can be hard to read or off-putting after a while.

What are the 5 most popular fonts in presentations and why? A common theme you’ll notice when looking at the best fonts for PowerPoint is that they’re traditionally sans-serif fonts. Why? Well, this style is much easier to read from a distance and won’t feel cramped if letters are bolded. Additionally, the minimalistic style of sans-serif fonts isn’t distracting from the material or the speaker. Let’s look at five fonts that fit the best practices for a winning presentation .

Note: You’ll notice a serif font on this list, but we’ll address it when we get there.

• Roboto. Roboto is a sans-serif font that’s relatively basic, with sharp edges and rounded loops, counters, and bowls (the rounded parts of letters) without going overly bold or too thin. You can be safe using Roboto for just about any presentation.
• Verdana. Despite the font size you choose, not all fonts display the same. Verdana is a larger sans-serif font that can make it easier to display information without taking your font up an extra size.
• Helvetica. A point of differentiation between Helvetica and other sans-serif fonts is the weight toward the top of the letters. The top of every lowercase letter and the midpoint of every capital letter go to a thick midline’s upper edge. For instance, the top of every lowercase letter reaches the same horizontal point as the top of the crossbar on an H. This unique feature makes the Helvetica type look larger and bolder than it really is, which makes it great for headings and titles.
• Tahoma. Tahoma is different from the previous sans-serif fonts in that it is thinner than the others. While Tahoma might not have the same impact for a heading or title as Helvetica, it’s perfect for body text and fitting into smaller spaces without crowding.
• Palatino Linotype. Serif fonts have long been considered a no-no with digital publications, but with the advent of high-resolution computer monitors, tablets, smartphones, and TVs, they’re fine. What’s more, the serifs on Palatino Linotype aren’t incredibly prominent, so they make for a subtle nod to old-style fonts without over-embellishing.

How do you embed fonts in PowerPoint ? If you’re sharing your presentation with a friend, classmate, or colleague, you could be at risk of the fonts you used transferring properly to their device. For example, if you have a font you love using and installed it onto your computer, they might not have the same font. So, if you send your presentation to them, there could be formatting errors as their device defaults to a different font. Keep this from happening by embedding your font in PowerPoint using these easy steps:

• Click the “File” tab.
• Move down to the lower-lefthand corner of the window and click “Options.”
• Click “Save” on the left side of the screen.
• Scroll down to the section titled “Preserve fidelity when sharing this presentation:”
• Click the box next to “Embed fonts in the file.”
• If you or someone else will be using the presentation on a different device, then select the first option, “Embed only the characters used in the presentation (best for reducing file size).” If you or someone else will be editing the presentation on a different device, then select the second option, “Embed all characters (best for editing by other people).”
• Click “OK.”

How to Install Fonts in PowerPoint? [The CORRECT Way!]

Every once in a while, you’ll either need a font that PowerPoint doesn’t currently offer, or perhaps need to install a custom brand font for your presentations. This may make you wonder how to install fonts in PowerPoint!

To install fonts in PowerPoint, first, download the font to your computer. Unzip the font file if necessary. Then, run the “fonts installer” by double-clicking on the font file. Make sure to install all .ttf files and .otf file types. Then, restart the PowerPoint application.

Even when you have followed what is mentioned above, sometimes you may come across issues with the font. So in this article, I will be talking about the various aspects of how fonts are installed, added, downloaded, embedded along with some error fixes in PowerPoint.

So, let’s get started!

How to Add Fonts to PowerPoint on Windows?

To be able to use new fonts in PowerPoint, you first need to install the fonts on Windows. Installing fonts is quite easy. It can be achieved in the following steps –

Step 1: Close the PowerPoint Application

The first step is to close the already open PowerPoint application on your Windows before installing the fonts.

Step 2: Download your font

Next, download your font of choice from a trusted website. We will talk more about this in the later section of the article.

Step 3: Extract the zip file

Once you have downloaded the fonts, extract the font files by unzipping the files (if necessary). Sometimes, the font files will come in a zip format, while other times, it may be directly available in a .ttf or a .otf font format.

Right-click on the zip file to to extract the font file. It should be noted that you must use the extract option according to your extraction software .

Step 4: Click on the installer

Next, you will see an extracted folder of the zip file that will be available with the same name. Open this folder and double-click on the font file to successfully install it.

Once you double-click on the file, it will open the font installer. You will be asked to go through multiple steps. Just click on the “next” button when prompted until the font file gets installed.

Step 5: Restart your PC and check in PowerPoint

Although you can now open the PowerPoint application and you should now see the font visible in the application. However, sometimes the font is still not visible. In such a scenario, it is perhaps a good measure to restart your computer and try to run it again. This will most likely solve the issue.

If you still don’t see the fonts in PowerPoint, it is entirely possible that the fonts perhaps didn’t get installed correctly. It would probably make sense to repeat the installation process once again.

How to Install Fonts in PowerPoint on Mac?

Installing fonts for PowerPoint on Mac works similar to how it works on Windows.

Nevertheless, here are the steps you need to follow –

Step 1: Download the Font

The first step is really to download the font file. If you don’t know how to download the font, click here to read the steps. You can then scroll up and return to this section once you have installed the fonts.

Step 2: Locate and unzip the font file

In most cases, the fonts will come in a zip file. First, unzip the file and extract the font files. To do that, simply right-click on the font file, and click on “Extract Here”.

Step 3: Install the font

Double-click on a font file once the folder containing the file is extracted. Then, click install and the font will be installed and ready for your usage the next time you open PowerPoint.

How to Download Fonts for PowerPoint?

There are plenty of websites that provide hundreds of custom-made fonts. Some of them are free and some you have to pay for. Here, I will be discussing how to download a font from a website. 

Step 1: Find a font website

As I mentioned, there are plenty of good fonts sites which allow you to download and use the fonts. If you are unsure of which one to use, I would recommend starting with Google Fonts . Not only is it completely free and open source, Google Fonts contain some of the most modern font designs that are used by websites world over.

If you are looking for alternative options, DaFont is a great site that I use from time to time. You can also use Font Squirrel .

Once you’ve identified the website you would want to go with, open it in your browser. Then, search for a font and click on it.

For the sake of this example, we are going to download and install Google Fonts (as shown in the above image)

Step 2: Download a font

The next step is to download the desired font. To do that, simply click on the download button as showcased in the above image.

Step 3: Extract the Font File

Now, unzip the files that you just download and extract the folder containing the fonts files.

Step 4: Install the Fonts

Once you’ve opened the folder containing the font files, double-click on any font file. You will see an installer window pop-up. Simply click on the “install font” option.

To install all the font files in the folder, simply select all the files and double-click on it just once! Then, click on the “install font” option and the fonts will be installed on your computer.

Download and Install Custom Fonts

Custom fonts are those that are usually created specifically for use of a particular company, employees of a company or an individual. Such fonts will not be available on public websites as these are specially designed upon request.

The process of installation of custom fonts remains the same. The only difference would be the way to access the font files. Obviously this will vary from one organization to another. However, in most companies, it is the responsibility of the “Communications” or the “Branding” department to handle such requests.

So, reach out to your concerned department to get the font file. Once you have the files in hand, simply double-click on it. This will open a font installer. You can then follow the same process highlighted above.

In case you are interested in creating your own fonts, you can use software such as FontForge or Birdfont to make your very own fonts. However, this requires specialized skills and I wouldn’t recommend taking this step until you have some expertise on creating fonts.

How to Send a PowerPoint with Custom Fonts?

When you are using custom fonts or even fonts that are not present in PowerPoint by default, it becomes a challenge to share the presentation with a person who is not using the fonts that you have used.

It is important to understand that if a person doesn’t have fonts installed on their computer that you have used in your presentation, it doesn’t mean that they will not be able to see the presentation. Just that, the presentation will not look the same in terms of the design.

The best thing to do to avoid this issue when sending a presentation file that uses custom fonts is to embed the fonts in your presentation.

That said, here’s a quick step-by-step process that you should follow to embed fonts in PowerPoint –

Step 1: Open PowerPoint Backend

Hover your cursor to the file tab and click on it. This will open the backend view of PowerPoint.

Step 2: Click on the Save As tab

On the left part of your screen, you will see an option for “ Save As “. Click on this tab.

Step 3: Embed the fonts

A dialogue box will open. Make sure you click on the “ Save ” option from the left. Then, under the “ Preserve fidelity when sharing this presentation ” option, make sure you put a check mark for “Embed fonts in the file ” option.

Click on “ OK ” to proceed.

How to Install Missing Fonts in PowerPoint?

Sometimes, when you open a presentation that doesn’t contain the fonts that are used in the presentation, you may get an error saying that the fonts are missing and you need to install them.

There are multiple ways you can solve this problem. Let’s take a look at the solutions –

• Using Common Fonts

Well, the first solution is to use common fonts that are usually present in PowerPoint and not use any custom font in the first place. I know this may seem obvious, but it is definitely an effective solution that you may miss out on.

However, if you do need to use custom fonts or special fonts for your presentation, then the next two solutions could be handy.

• Send the Font Files Separately

Another way to solve this error is to make sure that you also send the fonts separately in addition to your presentation. Make sure to send the instructions to install the fonts too. Alternatively, you can simply send them a link to this article!

If you are the one receiving the presentation that doesn’t have the fonts installed, then simply request the sender for the missing fonts. Once you receive it, simply follow the process mentioned above to install the fonts.

• Embed the Fonts in PowerPoint

Although the two solutions mentioned above will work in most cases, there are certain situations where you simply can not request others to install fonts. They may be either too senior in the hierarchy or perhaps just technologically challenged (or both!).

A better solution is to embed the fonts. I have already shared with you how to embed the fonts in the previous sections. So, make sure that you follow that process and embed the fonts before sending the presentation to the recipient.

One thing to remember is that while embedding fonts is a perfect solution, it can also increase your file size drastically (only in some cases). You should also know how to remove embedded fonts in PowerPoint.

Installed Fonts Not Showing in PowerPoint? Here’s What to Do!

This is quite an irritating issue as you may sometimes find yourself not being able to see the fonts that you recently installed in PowerPoint. This is because the default font option has not been enabled. Here’s how to resolve this issue:

Step 1: Go to control panel

Open the start tab, go to settings, and choose Control Panel.

Step 2: Checkmark fonts option

Double click on the fonts option. A file menu will appear, where you have to place a checkmark on the fonts option. On the same menu, click on install new font.

Step 3: Verify installation

To verify the installation of the fonts, find their folder in the default windows font folder.

How to Download the Fonts for Our PowerPoint Templates

Here at Slidesgo, we tend to work on our templates using Google Slides, as this program allows for easy collaboration between members of our design team. Regarding fonts, this is also an advantage, because Google Slides incorporates all fonts available in Google Fonts, which are free to use and offer a lot of variety.

However, when downloading our templates in PowerPoint format, you might find some problems with the fonts, especially if they are not installed on your computer. But that has an easy solution. Since they come from Google Fonts, downloading them is free, and installing them is a quick process.

Let’s find out how to do this so our templates for PowerPoint look as they were conceived in Google Slides.

Downloading the Fonts on Your Computer

To explain each step, we’re going to use our template called “ The Ultimate Marketing Plan ” as an example. After you’ve downloaded it, locate the “Fonts & colors used” slide, which is usually after all the slides from the presentation proper. Here you’ll find the fonts that are in use in this template in particular.

In this case, we’ve used “Archivo Black” and “Source Sans Pro”. Let’s download them. Open your preferred browser and go to the Google Fonts website. Type the name of the font in the search bar and click on the font. Then, on the upper-right corner, click “Download family”.

Do this with all fonts. Now you need to install them, so let’s continue!

Open the .zip file and extract the .ttf file(s). Now, double-click on that .ttf file to see a preview of its appearance. On the top-left corner you’ll find an option called “Install”. Just click on it to install the font on your computer! Now, do this with each font.

If you now open the template in PowerPoint, the font should now appear in the list of fonts available, ready to be used.

You’ll notice that some of our templates come with text made with Google Slides’ take on WordArt. When using the PowerPoint version of that template, the behavior of such text is a bit different, and may look distorted or stretched out when modifying it. 

In Google Slides, text boxes that contain WordArt text automatically adjust themselves to the length of the text, whereas in PowerPoint, whenever you edit WordArt text, it adjusts automatically to fit the existing text box size and not the other way around. So the easiest solution is to just resize the text box yourself after changing the text.
