Many students are wondering how they should write their host family letter as part of the application process to be an exchange student abroad ! Here are some tips to write a good host family letter .

Your High School Study Abroad organization requires you to write a letter to your future host family. How long should it be?

Not too short, not too long! We advise future exchange students to take great care while working on their host family letter. The host families will carefully read what you have written to understand who you are. This letter should reflect your personality and current life . As well as your motivation to do this experience WITH them.

If you write a short letter, this information will be too basic and they will have difficulties imagining the person you are and projecting themselves welcoming you into their home. We do advise you to try to write about 1 1/2 or even 2 pages . This is usually enough to describe your life habits, your personality, your family and friends, your daily routine as well as the reasons why you applied to be an exchange student abroad.

If you apply to a student exchange in France , talk about your interest in the French language and culture.  If you intend to do a High School Study Abroad program in Spain , maybe talk about when you started to study Spanish at school and why you would be interested in improving your Spanish skills. 

If you are interested in a High School exchange in Japan , maybe explain how you study the language and what is appealing in the traditional and pop culture of Japan. 

The whole idea is to present yourself and help the host family to know a bit more about the person you are. This is why you are invited to write :

Today I'm going to give you some tips for you. I did search for my letter to put here in the video as an example but apparently, I don't have it anymore!

My first tip is to start your letter with the basics:

  • tell your host family about who you are
  • what you like to do
  • how is your routine
  • what do you do after school
  • tell them if you have brothers or sisters
  • how is your family
  • where do you live
  • tell them about your city
  • tell them about your school

My second tip is to be honest because they want to know who you really are. It's not necessary to lie. They're gonna like you. Just try to be as honest as possible.

The next tip is to make sure your letter isn't too short because that doesn't look good. One or two pages are. Make sure you don't write a four-page letter, that's too much!

End your letter by thanking your family for choosing you and for welcoming you into their home. Tell them that you are excited to meet them. It's really important. It makes your letter better. Don't forget also to be creative! Write a nice letter so they can enjoy it while they are reading it.

What Questions Should you Answer in your Letter

What Does your Host Family Want to Know?

There are a few things that the host family will specifically look for in your letter. The family is mostly interested in reading about your childcare experience. Tell them about the childcare experience you were had in your home country. Explain how many children you cared for, how old they were, what you did with them and why you liked spending time with them. Be sure to include why you like caring for children and spending time with them so much. Keep in mind that this is also what your host family will look for in your pictures. Include pictures which show yourself together with children in your application.

Host families are usually also interested to know if you are likely to get homesick or not. Tell them in your letter if you already spent a longer period of time abroad and explain a bit about those experiences and how they have prepared you for an experience like this. It's also a good idea to tell the host family about your previous travels abroad. Did you spend a summer vacation abroad or participate in a student exchange program? Tell your host family about it in your letter.

What Photos Should you Use or Avoid

  • Keep your photos as attractive for the host family as possible, meaning that they reflect your personality and that they are appropriate.
  • Think of the type of pictures your host family would want to see, pictures of you dressed modestly and pictures of you watching and caring for children. They are looking to see how you interact with kids and how you present yourself.
  • Don't include any revealing photos and make sure that you are decently dressed on your photos! The host family is also not interested in your party pictures or pictures of your tattoos and piercings. Think of the photos as photos you would send a future employer, because that is what your host family ultimately is.

What Language Should the Letter Be In?

It is best if you write the letter to your host family in the host country's language. Your letter doesn't have to be written in a perfect language. The host family knows that your language skills are not perfect yet and they are aware of the fact that you are not writing in your mother tongue. It is important that you let your host family feel that you put a lot of effort and time in writing your letter.

What you Should Avoid - Don’ts

You want to make your letter to your host family as attractive and appealing as possible. Due to this reason, we recommend that you avoid some 'Don’ts' in your letter.

Avoid focusing on one or two cities only. France has more to offer than just Paris and Germany has a lot more cities that are worth visiting than only Berlin, Hamburg or Munich. By focusing too narrowly on only major cities of your host country, you might miss the perfect host family for you only because they might not be living in your preferred city. Getting along with your host family is worth a lot more than living in the right place. Being more open minded about the location of where you are placed shows maturity and openness, which is what the family is looking for.

Another thing you should avoid is to over emphasize in your letter to your host family that you have a boyfriend or girlfriend (if that holds true for you). Reading too much about your boy/girlfriend might bring the host family to think that you are very likely to get homesick and leave the program early or even be distracted while you are caring for their children.

If you are still younger than 18 at the time of your application, avoid writing sentences like "I am 17 years old”. Rather rephrase it, saying "I am soon going to turn 18" or in other similar ways.

We also recommend that you avoid writing empty phrases. You like spending time with children? Okay, great! But why do you like spending time with them? Instead of only writing that you like to look after children, explain what you like about spending time them and describe your previous experience in childcare and where your passion for childcare comes from and the joy you feel from the experience.

Tips for Writing the Perfect “Dear Family Letter”

Because Greenheart Travel programs focus on language and cultural immersion, many programs – like our Teen Summer Language Camps, Teach English in a Homestay, and High School Abroad programs – travelers stay with host families.

Whether you teach in a homestay in Thailand, study Italian in Florence or go to high school in Spain, living with a host family is one of the best parts. They may be strangers at first, but sooner than you know you’ll be eating breakfast in your pajamas, going to the supermarket and watching movies with them.

Living with a new family is often an adjustment, but every day you’ll learn more about each other’s quirks and personalities. Even before you arrive, you’ll show them a taste of your personality  through a “Dear Family Letter.” If you’re not sure what this means or what to write – don’t worry!

Here’s everything you wanted to know but didn’t want to ask about writing a letter to your host family:

What’s a ‘Dear Family Letter’?

A ‘Dear Family Letter’ is a short introduction to who you are and why you want to live abroad. When you are matched with a family, they’ll receive this letter just as you’ll receive a letter from them. This is the first way they learn about you and it’s your chance to show them you’re ready to be part of their family.

Kathy Clancy, Teach in a Homestay in Italy, France, and Argentina alum, says one of the most important things for her to demonstrate in the letter is her desire to be make the family a priority and develop strong bonds with them.

The families I stayed with wanted a ‘friend’ and someone they believed would follow the flow of the family (make them a priority), and not someone who was in the program just for their own experience.
  • Make it original! Avoid copying and pasting from a previous homestay letter or other applications.
  • Letters usually run about a page in length.
  • Write them as best you can in the language of the host country. If you’re linguistic skills are a bit rusty, no worries! You can always provide an English version to accompany your letter.

There are four main parts to the host family letter:

1. background on you.

Think of this section as an elevator pitch about your life.

Some ideas:

  • Where did you study?
  • What did you study?
  • Where are you from?
  • What’s your family like, and how do you spend your free time?
  • What is your personality like?
  • What do you like about other people?
  • What are you most passionate about?
  • How do you incorporate that in your life?
  • What’s something amazing you’ve done in your life?
  • What do you hope to do in the future?
  • Write things that would make great conversation starters. For example, Clancy loves to cook, so she wrote about it. “This made it easy to talk about the types of cuisines the host family would serve and American foods they would like me to make,” she says.
  • Keep it positive unless you’re discussing a negative situation you overcame.

2. Why You Want to Go Abroad

Have you traveled before? Did you have a great host family experience before, and that’s why you’d like to do it again? What inspired you? What about their country intrigues you?

• If you’ve read, watched movies or listened to music from their country, let them know! They’ll be happy you’ve already taken an interest in their culture.

3. What You Hope to Gain During Your Program

Maybe you hope to share your love of the English language. Maybe you’re a history buff who wants to learn about Argentina or you’d like to climb mountains in Chile. Perhaps you’d also love to become conversational in French, train for a marathon or learn photography. Whatever it is, let them know!

  • The more specific, the better! It’s good to say, “I’m interested in learning about the culture,” but it’s even better to explain that you’ve loved French cooking ever since you first watched Julia Child, or you’re an avid exerciser and want to see what group fitness classes are like in a different country.
  • Include an activity you’d enjoy doing with them, or a favorite hobby you’d like to share with the family.

4. Show You’re Excited to Meet Them

Let them know how much it means that they want to welcome you into their family! Remember that it will be just as much an adjustment for them as it is for you. Showing your appreciation and excitement early will set the tone for your stay.

  • If you’re doing the Teach English in a Homestay program, tell them some fun ideas you’d like to incorporate into a lesson.

Why is a ‘Dear Family Letter’ Important?

Through your letter, your family gets a better sense of why you’re a great fit for their home. It gives them a way to plan for your visit. For example, if you mention you love to play violin, they might have a family friend who also plays the instrument and they’ll connect you with a local (and you can make friends while on your program).

Plus, it’s a great ice breaker! You’ll Skype with your family before you depart. Already having that letter helps the family dive right into getting to know you.

My name is Nathalie, I am fifteen years old and I’ll become 16 on March 31st. My friends describe me as an open-minded, funny, spontaneous, sportive and creative person. Laughing is one of my favorite things to do, I am an optimistic person and I’m always making the most out of every situation.

I’m living together with my parents XXX &XXX, my almost-14-year-old brother XXX and my very cute little sister XXX. I guess my sister is the cutest, funniest little thing in the whole world, maybe she is a little bit clumsy. That often makes it difficult to look after her which is something I got to do a lot when my parents are working. In spite of everything, I love her so much, she’s my favorite sister. My brother and I sometimes play video games together. It’s always fun because we can laugh about the same things. I have a really good relationship to my parents. My father works a lot, as a controller, but I’ll always be his “little” girl. My mother also has a lot of work to do. I try to help her whenever I can. Helping in the kitchen and with the laundry, as well as babysitting and tidying up my room are thing I always had to do. Both of my parents raised me to be a creative, loving, honest and responsible person with an own opinion. In fact, I love them all so much and you cannot put us all together in a room without having a really funny, good time.

My family and I, we live in a small town very close to Berlin. Berlin is awesome, I spend a lot of my free time there, going to the movies, shopping or just hanging out with some of my friends at Starbuck’s. I love our girls’ nights as well as go swimming at a lake close to my school in summer. Besides my family, my friends are the most important persons in my life. I don’t really have one best friend, but I have many very good friends. They listen to me and try to help, when I have troubles and we laugh a lot. I can count on them and we always have so much fun together. On the weekends we go out, cook or go to concerts together. We all love dancing as well as music in general.

Besides my friends I also have some other interests, and music is one of them. I have been playing piano for almost ten years and I’m teaching myself to play the guitar for about two years. I really got good at playing piano but playing the guitar will always be something I just do for fun. I always did a lot of sports. I started playing tennis in a club in my hometown six years ago, and I started practicing Kung Fu even earlier. In addition I love to go jogging whenever there is time for it. Since I got an on easel for Christmas, I also like painting.

I attend the 10th grade of a small school close to the place where I live. My favorite subjects in school are PE, art, biology and politics. I like PE and art because I love painting and sports, too, and I like Biology and Politics because I like to know as much as possible about the world around me. Besides English I learn French and Spanish at school. I’m a class representative and I love how school gives me the chance to spend time with my friends in the breaks and at lunch.

Probably you will ask yourself why I want to be an exchange student. I think it’s a great opportunity to meet new people, getting to know the „American way of life“, improve my English and make new experiences. It’s not that I don’t like my life here in Germany, in contrary, I will miss my family and my friends for sure. But I know that the experiences of one year with you will be more than worth leaving my normal home. I am so excited about the stay and I hope I‘ll be able to show you something about the German way of life. As I love cooking I could also cook German meals for you.

Your letter is good, but I have one big suggestion: take the paragraphs about music (piano), art and school (from the bottom) and move them above the part where you talk about your friends. Those paragraphs have some very good details that will help you find a family, but the details about hanging with your friends, shopping, etc. are not as strong as your hobbies. You should put your strongest information first.
