This article shows teachers how to create a Google Drive Assignment in Schoology

Google Drive Assignments allow you to create an assignment for your students and attach a Google Doc, Google Slides, or a Google Sheet file to the assignment. A copy of the template file is created for each student in your class, and that file is shared back with you.

IMPORTANT INFORMATION ABOUT GOOGLE DRIVE ASSIGNMENTS:

Students MUST be logged into a Google account through their browser to work on and submit assignments using this feature. For students who do not have Google accounts, consider using a different approach or providing an alternative way to submit the assignment.

When you create an assignment with Google Drive Assignments, you are the “owner” of the file, and the file is “shared” with the student. When the file is shared with the student, the student has Edit access to the file and can modify the copied document.

Once a student clicks Submit , the file moves from the In Progress tab to the Submitted tab in the Schoology assignment. This also changes the student’s access to Comment only , which means the student cannot make changes to the document but can add comments.

If a student submits the assignment and needs to make changes before the due date, both you and the student can un-submit the assignment so the student can have Edit access again. After the due date, the student cannot un-submit the assignment and cannot edit the file.

PLEASE NOTE: Google Drive Assignments are used for independent student work and not collaborative work. If you want students to work together on an assignment, consider adding a link to the file in your course.

Steps to Creating a Google Drive Assignment

Navigate to your Schoology course and click the chevron to the left of one of your main folders to expand the folder.

Hover your mouse pointer directly below the location where you want to add the assignment until you see a green dashed line.

Left-click your mouse and then click Add Assignment .

Name: Enter the assignment name, which will be displayed inside your folder. Provide a unique and meaningful name for every assignment in your course. This makes it easy for you and your students to locate the assignment in the gradebook. For example, add the week or topic number to the beginning of the assignment name.

Additionally, at the end of the name, it’s very helpful to add the approximate amount of time it will take students to complete the assignment along with the number of points that can be earned.

Description: In the assignment description, provide clear and concise instructions on how to complete the assignment. Including an audio or video recording is recommended for your assignments to create a teacher presence and to enhance assignment instructions.

Use the rich text editor tools to apply formatting to the font; change the indent or alignment of selected text; insert a link, image, or table; spellcheck the description; apply paragraph headers; and switch between Visual and HTML.

REQUIRED: Per eAcademy course requirements, include the approximate amount of time it will take students to complete the assignment. Also include the number of points that can be earned.

Here are Assignment Instructions you can include in your Description, if desired.

~ Click My Document to view the Google Drive file.

~ Review the assignment instructions and complete the assignment by typing directly in the file.

~ When finished, click Submit Assignment .

~ On the next screen, click Yes, submit , and finally, click Done .

~ Use the breadcrumb trail at the top left to return to the weekly topic or the course landing page.

Format Options: Select Google Drive Assignments .

If you have any issues connecting to your WIU Google Drive account, click Options , click Account Settings , and log into your WIU Google Drive account.

Scroll down your list of files or type the file name in the Search Google Drive field and select the file you would like students to complete. Make sure the sharing permission is set to "anyone with the link can view."

Click Attach. The file is now attached to the assignment.

REQUIRED - Due date and Time : All graded eAcademy assignments must have a Due date and time. To provide students with plenty of time to submit the assignment, set the time to 11:59 PM . This is a soft End Date and students can submit the assignment after this date unless you use the Lock feature (see Lock information at the bottom of this resource).

pts: Enter the number of points the assignment is worth.

Category: From the Category drop-down menu, select Assignments .

Period: From the Period drop-down menu, select the grading period that aligns with the Due date. DO NOT select Set as midterm/final . This may negatively impact student grades.

Factor: Leave the Factor setting at the default value.

[ NEW ] Collected Type: Checking the box will disable the ability to add a traditional score to the assignment in the gradebook. This is an Exception code that allows you to forgo traditional grading on a material. You can keep track of student work on assignments without impacting grading calculations as appropriate (e.g., Field Trip Forms). Enabling this setting will create a new column in the gradebook.

Scale/Rubric: Leave the Scale/Rubric setting at the default value.

Click Create .

If desired, change the Options at the bottom of the Create Assignment window.

Individually Assign: Use this setting to only display the assignment to one or more members of the course or a grading group.

Lock: This setting prevents students from making submissions.

By default, this feature is disabled. Click the Lock icon to get started. From the drop-down menu, select either Lock on… or Lock now . If you select Lock on… , enter the date and time you wish to lock the assignment.

Submissions Enabled: You can choose to disable submissions if the assignment does not require something in return from the student - for example, reading homework.

Published to students: Use this setting to display or hide the assignment from the student view. The assignment is published by default and immediately available to students.

Grade Statistics: When enabled, this setting displays the statistics for the assignment to the students, which is located in an icon above the assignment submissions.

Comments: This setting is enabled by default and allows students to comment on the assignment. Use care with this setting because students may think the Comment box is used for assignment submissions. You may want to disable this setting.

[ NEW ] Count in Grade: This setting is enabled by default.

If disabled, this setting allows you to exclude a material’s scores from the grade calculations. This allows you, students, and parents to know immediately if a material is used in grading.

An example might be a pre-test you don’t want to count in grade calculations. The assignment grade will appear in purple italics in the gradebook and will not impact a student’s overall grade.

Copy to Courses: This setting allows you to copy the assignment with the current settings and options to another course.

PLEASE NOTE: At the current time, the attached Google file DOES NOT get copied when you copy a Google Drive Assignment to other courses. If you choose to use this feature, you will need to edit the copied assignment and attach the Google file.

Viewing Student Submissions

Navigate to your Schoology course and click the assignment name.

Click In Progress to see how the students are doing with the assignment and if they opened the assignment yet.

Click Submissions to view and grade each student’s assignment.

Use the breadcrumb trail at the top left to return to your course landing page or weekly topic.

From the course landing page under Reminders on the right, you’ll see the total number of ungraded assignment submissions.

Getting To Know Google Drive Assignments in Schoology

When Google Drive Assignments first came out in Schoology, I really thought it was going to change the way instruction happens in many classrooms. Gone were the days of “Untitled Documents” and hundreds of email notifications when my students share files with me.

If you’re not already familiar with Google Drive Assignments feature of Schoology,  this tutorial video  offers you a quick explanation and how-to. In short, Google Drive Assignments allows you to create an assignment for your students AND attach a Google Doc/Slide/Sheet file to the assignment. The beauty of this feature is that a copy of the template file is created for each student in your class, and that file is shared back with the teacher.

So What Makes This Feature Awesome?

Simplified workflow for students and teachers.

Before Google Drive Assignments in Schoology:

“Sharing files through Google Drive makes things easier in your class.  All you have to do is create the file, hit share, make the link sharable, set the sharing permissions to view only, copy that link, paste it in your Schoology course.  Then your students follow that link, click on File, then click make a copy, rename the file, and share it back with you. If you want to have students turn the file in via Schoology the students need to click the ‘Submit’ button, then click resources, then click apps, then click ‘Google Drive’ then find the file they want to attach.”

Easy right? Riiiiiiight…..Not to mention I can’t tell you how many times I heard students confused because all the work they did yesterday was “gone”.  In most cases, the students were not aware they made a new copy of the file (since they followed the same steps from yesterday), as opposed to accessing their file in Google Drive.

Google Drive Assignments takes a lot of that work out of the equation:

  • Teachers create a file in Google Drive and attach it to an assignment in Schoology
  • A copy of the file is made for each student and shared back with the teacher in Schoology (no email notifications)
  • If the teacher or student wants to access the file, they can go right back to Schoology and find it
  • The process is the same whether you are accessing the file for the first time or the fiftieth time.

No more sharing

Prior to Google Drive Assignments, it was necessary for students to share work back with a teacher. This was fine, and it worked for years, but as we know there is no way to organize the Shared with Me space within Google Drive… so things got really ugly very quickly. Sure, you could click “Add to My Drive” and organize the files that way … but still, not the best use of time … and as mentioned before you would receive a flood of emails every time you gave your students an assignment.

Google Drive Assignments takes out the need for students to share back files; it’s done on the back end. Better yet, teachers no longer have to sift through countless documents and try to organize them. Now, as shown in the picture below, the teacher can simply go to the assignment and click on a student name on the left side of the screen and see his/her/their file on the right hand side of the screen. Best yet, the view on the right side is a live look at the Google Doc, which means you get the most recent version of the file!

Did I share that file with the correct permission?

I can’t count how many times I shared a file from Google with different sharing permissions than I had intended. Again, not the end of the world, but it could be trouble. Thanks to the fact that Google Drive Assignments makes a copy for each of your students, you no longer have to worry about someone “accidentally” making changes to your template file; the changes made to a student’s file do not affect your copy of the document.

Speaking of permission settings…

I don’t want to geek out on you too much here, but alas…

When you create an assignment with Google Drive Assignments, in terms of Google Drive the teacher is the “owner” of the file, and the file is “shared” with the student (more on that later). When the file is shared with the student, the student is given edit access to the file; meaning he/she/they can modify the document at the highest level. When the student clicks the “Submit” button, the file is moved within the Schoology course from the “In Progress” tab to the “Submitted” tab.  This also changes the student’s access to comment only. If you are not familiar with comment access, it allows for users to make suggestions for changes (in a different coloured font) and attaches a side comment to the change, but does not actually change the document.

This change of permission makes it easy to see if a student makes changes to the document after he/she/they submitted the assignment. Both the teacher and student can “un-submit” (see picture below) the assignment before the due date, which will change the student’s permission level back to edit (as it started).

Gone are the days of “Untitled Document”

We can teach file management until we are blue in the face, but there are always students who fail to name a file, or use some totally unique naming convention, that makes perfect sense to them … and only them.

When Google Drive Assignment makes a copy of the file for your students it also automatically renames the copy using the following convention:

Studentfirstname Studentlastname – Assignment Title – #####

The number at the end is a unique number designated to that particular assignment in Schoology (making it easier to find in Google Drive if necessary). There have been countless instances where students can’t find a file thanks to the myriad of Untitled Documents in his/her/their Google Drive. Again, we can search by modification date, but with Google Drive Assignments students can click on the assignment in Schoology and directly access his/her/their file.

Built in accountability

In the past, I had to trust that my students were working on assignments. Perhaps they turned in work early, perhaps they shared the file with me, either way, unless the student shared his/her/their work with me I had no way of knowing what was being done other than asking “So how’s the work going? Anything I can help with?”

With Google Drive Assignments, I can peek in to see how a student is progressing. If a student has yet to open the file, the system tells me that too. Some may see it as micromanaging, I see it as (next section) …

Immediate opportunities for feedback

Thanks to the file being shared with the teacher at the start of the process, Google Drive Assignments allows the teacher to offer feedback throughout the process. The teacher can address any missteps or misconceptions early on, and help guide the student back on the right path.

In some traditional workflows where the assignment is given to the teacher upon the due date, the student is given feedback on work after it has been turned in, and graded. In some cases, the student can see what he/she/they did wrong, however they have little to no opportunities to apply that feedback to that particular assignment. A colleague likes to refer to this style of feedback as an “autopsy”… morbid, but very accurate. Google Drive Assignments instead, gives the teacher access to the file at the start of the process. This access gives the teacher the opportunity to provide effective and valuable feedback to the student (via comments, suggestions, questioning strategies, etc.) to help guide the student early on in the process, especially if the purpose of the assignment is the learning.

What Are Some Things To Look Out For (in my experience so far)?

What is your purpose for sharing the file.

There are plenty of cases where you want your students to work together, collaboratively, on a document. If that is your goal, this is not the work flow for you. Instead, I might suggest adding a link to the file in your Schoology course. The Google Drive Assignments work flow discussed in this post is for when you are looking to have students work independently on a file.

Make a copy vs Live updates

If you are familiar with sharing files in Google, you know that any updates made to a file will be seen in the shared file. After all, that’s one of the awesome reasons to collaborate in that space! It is important to be mindful that Google Drive Assignments makes a copy of your file with your students; it doesn’t “share” the file with your students.

When your student clicks “My Document” within the assignment, a copy of the file is created as it currently exists. This means any changes you make to the template file will NOT be reflected in the student’s copy (assuming they have opened the document within Schoology). One solution to this may be to keep the assignment unpublished until you are ready for your students to access it.

In Progress vs Submitted

As mentioned previously, when a student submits the assignment it moves from the “In Progress” tab to the “Submitted” tab of the Schoology Assignment. This sounds logical, but I can’t tell you how many times I’ve looked for a student’s paper only to not see his/her/their name on the list. What?! Why isn’t your name here?!

When you are accustomed to looking at student work in the “In Progress” tab, it’s easy to forget that the “Submitted” tab exists, so be mindful that it’s there.

Co-taught classes are tricky

There are plenty of cases where a Schoology course has more than one administrator, and this can cause some trouble with Google Drive Assignments. As mentioned earlier, the administrator is the owner of the file, and it is shared directly with each student. The integration does not identify people as “course admins”, consequently in the case of multiple course admins, whoever creates the assignment will be able to see the files and other admins will get a sharing error message when they try to view the student work. We have come up with a work around that seems to solve this problem ( this 2,5 minute video explains how ), but hopefully a more permanent solution can be found soon.

Limited viewing space

We heard early on from teachers and students alike that the viewing space of the document was somewhat limited due to the Schoology frame (and in the case of teachers, the student list also takes up screen real estate). Initially, our solution was to access the file via Google Drive (teachers can find a folder titled “Schoology Google Drive Assignments” and students can look in “Shared with me”), but frankly that took away some of the ease of use associated with this feature. Fortunately, about a week later an “Open” button (shown in the picture below) appeared for both students and teachers that opens the file in a new tab. Clicking this open button is the same as if you were to access the file directly via Google Drive.

Ownership rights

As we look to have students curate their work into portfolios, it is important that the students have access to his/her/their work.  As mentioned above, the workflow of Google Drive Assignments sets the course admin as the owner of the file, and it is shared with the individual students. To help ensure access to files in a portfolio, it may be advantageous to have students make a copy of his/her/their completed work and curate that copy into a portfolio.

What Have I Learned?

Submission changes at due date.

It was mentioned earlier that a student’s permission level changes from edit to comment upon submitting an assignment, and this allows for any changes made by the student to be more visible to the teacher.

It was also discussed that both teachers and students can un-submit an assignment, which will change the students permission setting from comment back to edit. This begs us to ask the question:

“What stops a student from submitting an assignment, seeing feedback from the teacher, un-submit the assignment to make the necessary changes, and then resubmit the assignment with the intent of fooling the teacher it was correct all along?”

I know it’s complicated, but it’s not outside the realm of possibilities. Also, let’s just set aside the pedagogical discussion around effective feedback for learners. While it’s possible for the teacher to look at the version history of the document, that is something teachers may not be familiar with based on their personal comfort with technology and even if they are familiar with that process, it is an additional step/time requirement.

Assignment due dates can help. If a due date is listed for an assignment, a student can not un-submit an assignment once the due date has passed… meaning they can’t kick the file out of comment mode.

A few other things to note:

  • A student can still submit the file after the due date has passed
  • Due dates can be changed, and Google Drive Assignments is responsive to that change. This means if a teacher sets an initial due date, submitted work becomes “locked in” after the due date has passed. If the teacher edits the assignment to extend the due date, that submitted work becomes unlocked (able to be un-submitted) until after the new due date passes

Where Would I Like To See It Go Next?

Copy the assignment, copy the template.

One of my favorite parts of Schoology is the ability to copy materials seamlessly to all your courses, but it appears this feature was left off in this case. It appears you can copy the assignment to multiple courses, however, the attached file does NOT come over with the copy. This means after copying the file you still have to go into each course, edit the assignment and attach the file to the assignment. Seems to defeat the purpose of copying. If I’m missing the solution, I would love to hear your suggestions. Otherwise, I (and many teachers) hope Schoology finds a way to resolve this.

Group assignments

I have heard rumors about this, and look forward to it with great antici…pation. In many cases students work collaboratively on a single piece of work.  Right now, Google Drive Assignments does not directly support this environment. It would be great to see it have the ability to group students onto a single file, and have those students all access the same file, comments/feedback, and all be issued the same grade (if applicable).

Co-Teaching and Google Drive/OneDrive Assignments in Schoology

This past fall, Schoology released a new system that connects assignments directly with documents from your OneDrive or Google Drive, creating a copy of your document for each student, and adding a host of additional useful features for teachers! For more on those systems, Schoology provides some help articles for both Google Drive Assignments   and OneDrive Assignments  in their Help Center. This article is to provide some help for those teachers currently using either of these systems.

Along with the many benefits of these new direct integrations, there are a couple of hiccups, as these are both new systems to the Schoology ecosystem. One hiccup, in particular, applies to co-taught classes using Google Drive Assignments or OneDrive Assignments. Even though Schoology allows a course to have multiple administrators to accommodate co-teaching, these new assignment types do not support co-teachers well. Continue below for a brief explanation of the issue and a quick and easy solution!

The Short Version

Only the teacher that specifically creates the Google Drive Assignment or OneDrive Assignment can access students’ copies of the file associated with an assignment.

The Longer Version

When a teacher creates an assignment in Schoology and uses the Google Drive Assignments or Microsoft OneDrive Assignments app, she or he selects a file from his/her own Google Drive or OneDrive, then Schoology creates a new copy of this file for each student. All of these new copies are shared with students in the “Shared with Me” section of their Google Drive or OneDrive. The teacher also gets a copy of each student’s document in a Schoology folder within her/his own Google Drive or OneDrive. This is a cool system that works really well, except that co-teachers are not included in this “chain of access,” and thus do not have any way to view students’ documents.

This means that intervention specialists cannot view students’ documents that they have turned in via a Microsoft OneDrive Assignment or a Google Drive Assignment, whether for grading, conferencing, or some other purpose. Luckily, there are a couple of quick and easy work-arounds for this!

A Good Option

One possible approach to this issue is to simply split up the students into two groups- whether by students requiring accommodations and modifications, by student groups, or some other method. One teacher creates a copy of the assignment and assigns that copy to his/her group of students. The other teacher creates a copy of the assignment and assigns that one to his/her group of students. To aid in this pursuit, teachers can employ the Grading Groups feature within Schoology ( details here ).

This results in a setup where one teacher has access to assignments from the students under her/his purview and her/his co-teacher has access to assignments the other group of students. Each teacher can grade assignments, provide feedback, etc. However, the drawback here is that there is always a subset of students to whom each teacher does not have access.  This leads to our better solution.

The Better Option

As I mentioned in the longer explanation of the issue above, Schoology shares copies of each student’s document with the teacher who created the assignment in Schoology. All of these student assignments go into a folder in the teacher’s OneDrive or Google Drive (depending on the source of the original file).

Either way, every teacher that uses Google Drive Assignments and/or OneDrive Assignments has a “Schoology Google Drive Assignments” or “Schoology Microsoft OneDrive Assignments” folder created in each respective cloud storage location. Inside of that folder, a folder is created for each of your courses within Schoology, and inside of  that folder is a folder for each Google Drive Assignment or Microsoft OneDrive Assignment you have created.

This setup makes it very easy to provide access to your co-teacher(s). All you need to do is open your Schoology Google Drive Assignments folder or Schooology Microsoft OneDrive Assignments folder, then right click on the folder for any course that you co-teach. From there, you can choose to share the entire folder with your co-teacher(s), providing access to every assignment currently within that folder, as well as any future assignments.

After this, you and your co-teacher will both be able to view any student’s document within a Schoology Google Drive or OneDrive assignment!

Set up Assignments in a Schoology course

Step 1: Generate an access key and secret code

You don’t need to be a Google Workspace administrator to generate an access key and code.

  • Go to assignments.google.com/admin  and sign in with your Google Workspace for Education account.
  • Under  LTI access keys and secret codes , click  Generate new pair .

  • Under  Consumer key  and  Shared secret , copy the codes. Tip : Keep this window open until you finish the setup in Schoology.

Step 2: Add Assignments to a course

  • Sign in to Schoology and find the Assignments app .
  • Click  Install LTI App .
  • Open a course.
  • In the  Consumer Key  and  Shared Secret  fields, enter the codes from step 1.
  • Click  Submit .

When you add materials to the course, Assignments is now an option.

Fix Google Drive Issues in Schoology

If you're unable to connect to Google Drive from within Schoology (or some other application) here is the fix. Common error messages include "Access denied" and "Request access" when using Google Drive assignments.

Use Google Chrome

This is the simplest sure-fire way for students and faculty to be able to access Google Drive Resources in Schoology. When the Google resource page loads, users will be prompted to authenticate to their RCS Google account.

Removing Access

If you prefer to make this work in a browser other than Chrome, here are steps to fix authentication issues in browsers like Safari:

  • In your Google account, click the grid in the upper-right.
  • Select Account
  • Select Security
  • Under the heading Third-party apps with account access , select Manage third-party access
  • Under Apps connected to your account, open Manage Apps .
  • Under Third-party apps with account access select the app that is giving you trouble (e.g. Schoology) and click Remove Access .

Granting Access and Reconnecting

If the issue was with Schoology, go back to Schoology, and connect again:

  • In your course, click Add Materials
  • Select Add Assignment
  • Launch the Google Drive Assignment app
  • Connect to your Google account.
  • In your course, open the assignment
  • Select Submit Assignment

Fixing "Access Denied" Message on iPadOS

Enable Cross-Site Tracking in your web browser or in Settings on iOS. This will allow for Schoology integrations to load and function properly. If you have questions about this, reach out to a member of the Tech Team! We're more than happy to help.

Troubleshooting the Google Drive Assignments App

Q: error message: we're not able to connect to your google account.

If you're having trouble connecting your Google account to your Schoology account while using our Google Drive Assignment app, follow the steps below.

If you encounter this error the first time you attempt to authorize, it may be because your Google domain has offline access disabled.

If you have previously logged in to the Schoology Google Drive Assignment app, first log into the Google account you have previously used to access the app, and then follow these steps:

  • In your Google account, click the grid in the upper-right.
  • Select My Account.
  • Under Sign In and Security, click Connected Apps and Sites.
  • Under Apps connected to your account, open Manage Apps.
  • Select Schoology.
  • Click Remove.

Now, go back to Schoology, and connect again:

  • In your course, click Add Materials.
  • Select Add Assignment.
  • Launch the Google Drive Assignment app.
  • Connect to your Google account.

Q: Error Message: We're sorry but we are unable to load your document or No login information was received

These messages indicate that your browser is blocking third-party cookies. To enable third-party cookies in different browsers:

In Google Chrome

  • Navigate to: chrome://settings/content/cookies
  • Turn off Block third-party cookies .
  • Navigate to: about:preferences#privacy
  • Under History select Use custom settings for history.
  • Select Accept cookies from sites and set it to Always .

Depending on the security settings on your device, third-party cookies may need to be enabled on a system-wide level.

Q: Error Message: We had some trouble opening your document. Try again by reloading the page

If refreshing the page does not resolve the issue, you may need to force a log out of your Google account and reconnect. Use the Can't see your document? Click here. link in the top right corner of the document to perform this action.

This error indicates the person attempting to access the assignment is neither the document owner nor the student. This is typically seen when a co-teacher is attempting to access the assignment. See Q: Can my co-teacher and I both grade student work submitted via Google Drive Assignments?

If you're having trouble connecting to your Google account when attempting to create a Google Drive Assignment, it may be because a Google access token expired or you previously revoked access to the Schoology Google Drive Assignment app directly within Google. Follow the steps below to reconnect to your account:

  • Within your course, click Add Materials and select Add Assignment .
  • Under Assign From App, select Google Drive Assignments .
  • Within the Add Assignment From Google Drive Assignments modal, click Options, and select Account Settings .
  • Select Log Out , and confirm.
  • Select Connect .
  • Log back into your Google account.
  • Files from your Google Drive should now be available.

Q: Does the app require a Consumer Key and Shared Secret?

No, although the Configuration button does display when installing the app, it does not require a consumer key and shared secret to install.

Q: Can I attach multiple documents to an assignment?

You can only attach one item from Google Drive to each assignment.

Q: Can I edit an assignment after it has been created with the Google Drive Assignments app?

You can edit all parts of the assignment (Due Date, Category, Possible Points, etc.) except the Google attachment. If you need to change the assignment to attach a different Google file, you must delete the assignment and create a new one.

Q: Can the instructor make changes within the Google doc after attaching it to an assignment?

Yes, as long as students have not generated their copy yet by clicking My Document in the assignment . Once a student opens their copy of the document, any changes the instructor makes to the original are not reflected in copies created prior to the edits. Edits to the master file only affect subsequent student copies.

Q: Can I create assignments using the Google Drive Assignments app in Resources?

No, the Google Drive Assignments app is only available in courses. By saving an assignment with a Google Drive attachment to your personal or Group Resources, a template is saved of the basic Schoology info. You'll need to copy the template back into a course to reattach the Google file.

Q: Can I copy assignments created with the Google Drive Assignments app?

Unfortunately, no. Google Drive assignments are not portable. Because we are leveraging Google’s permission-sharing capabilities, the Google Drive assignment can only be shared with the teacher who created the assignment and the students who open it, as per the course roster in which the assignment was originally created for. Therefore, when you copy a Google Drive assignment to another course, the Google file does not come with it. Only the Schoology assignment information (title, description, etc.) is retained. You can attach the Google file to the copy of the assignment in the destination course.

Q: I have all my assignments created for the courses I teach and import them from Resources every time we start a new grading period. Can I edit my existing assignments to use the Google Drive Assignments app?

Yes. Click the gear icon, select Edit , then add Google files via the Google Drive Assignments app.

Q: What happens if I delete the Schoology folders and/or my students' files from Google Drive?

We caution strongly against this. Since Google is ultimately a separate system, we do not have a way to retrieve this work if you delete it. If you delete the top-level Schoology folder or the course-level folder, a new folder will be created the next time you create a new Google assignment in your course and a student generates a copy from that new assignment.

However, we cannot retrieve the deleted files. Once student copies are deleted, there is no way to re-connect those files to the Schoology integration.

We suggest being especially careful not to delete the folders–the higher up you go in the folder structure, the more student work you are potentially affecting.

Q: How do I delete an assignment that was added using the Google Drive Assignments app?

To permanently remove an assignment from the student's Google Drive, you must delete the assignment from your Google Drive and Schoology.

From the Google Drive document, click the Trash icon to delete the assignment.

Once you remove the assignment from your Google Drive and Schoology, students will no longer be able to view or access the document.

Q: Can my co-teacher and I both grade student work submitted via the Google Drive Assignments app?

Unfortunately, no. Because we are leveraging Google’s permission-sharing capabilities, at this time, all student copies are only shared with the teacher who created the assignment and the student who opens it. All other visitors to the course, whether co-teachers, admins, advisors, will not be able to see the submission.

As a workaround, the course admin who created the assignment can share to any co-teachers and other faculty directly from Google Drive. All student copies are organized into Google Drive folders by course and assignment. This way, the primary teacher may push out all assignments to students in Schoology and share submissions directly from Google Drive via the folder with all student work to the co-teacher. The co-teacher can then view the assignments through Schoology or directly in Google Drive.

Q: Can parents view Google Drive Assignment submissions?

Unfortunately, no. Because we are leveraging Google’s permission-sharing capabilities, at this time, all student copies are only shared with the teacher who created the assignment and the student who opens it. All other visitors to the course, whether parents, co-teachers, advisors, will not be able to see the submission. Parents will see an "Access Denied" error message when attempting to access the assignment.

Q: I have content across multiple Google accounts – can I use both of them?

We caution against this. We recommend that one Google account be used to create all Google Drive assignments for the entire section.

If you have created Google Drive assignments with one Google account, and then you log out of the app, your students will no longer be able to access the existing assignments via Schoology. When this occurs, students will see the error message: We had some trouble opening your document. Try again by reloading the page.

To resolve this error, the teacher who created the assignments must log in to the Google Drive Assignments app with the original Google account.

Q: I have multiple Schoology accounts and want to connect the same Gmail account to both. Can I do that?

Q: i'm trying to embed an image into a google file when viewing it in schoology, and i keep getting a blank screen..

This is a Google limitation. When you embed a Google doc, it is embedded in an iframe and you can't access some of the Google menu options. This issue is specific to any of the menu items that actually use an iframe themselves–such as the Insert Image menu–because Google prevents displaying an iframe-within-an-iframe. Schoology has no control over this.

Q: My student can't remember which Google account they used to connect to the app and access their assignment.

You can help them out by navigating to your Google Drive, and going to an assignment they’ve worked on previously ( Schoology Google Drive Assignments > your course-level folder > assignment>level folder ) and identify one of their previously completed assignments. Access the Share settings for that document–each file belongs to you (the instructor) and is then shared with the student, so the other email address in the share settings that is not your email address is the one that the student used to connect to the app.

Q: I can't see the document when I open the app. What should I do?

Sometimes, errors can occur for students and instructors trying to view a Google document because:

  • A student attempts to view a file and discovers they no longer have access. A Google account and/or privileges had previously given them access to the file, but now they are using a different Google account and cannot access it.
  • A student or instructor attempts to view a file and discovers they no longer have access. They are logged into Schoology but are not actually logged into a Google account.

These errors can be resolved by logging out of the Google Drive Assignments app and logging back in. Schoology has added a link to make this process easier. To learn more about this link, see our article on Reconnecting the Google Drive Assignments App with Force Logout.

Q: Can a student make changes to a submitted document?

When a student has completed their work on a Google Drive assignment, the student can submit the item by clicking the Submit button on the top right of the modal.

The student is able to Unsubmit the assignment prior to the due date or grading. If the due date has not yet passed, the student will see the ability to unsubmit in the top right of the modal with the message, "The assignment has not yet been graded." This way, the student can revise if they are receiving ongoing feedback prior to grading.

Once the assignment is submitted, the student may only unsubmit if the due date has not yet passed. If the due date has passed, the user will see the message below:

As a result of changes to Google’s security policies concerning their Drive APIs, the Schoology Google Drive Resource app has changed. With the new changes, users will have to go through another step of selecting specific Google Drive content that they want to give Schoology access. After selecting the specific content they want to include for Schoology, the rest of the workflow will remain unchanged. 

Note: This change does NOT impact file selection when using the Google Drive Assignment app.

As a side effect of this change, student and teacher users may be required to reconnect their Google Drive in the app. 

Connecting or Reconnecting to the Google Drive Resource App in Schoology

Your Google Drive may need to be reconnected occasionally within the Schoology app. If you are seeing an error message, follow these steps:

  • Navigate to the Google Drive Resource App, and click Options .
  • From the drop-down menu, click Account Settings and Sign in with Google .
