Let’s get started!

Simply put, a Google Docs template is a blueprint for quickly and easily creating documents based on pre-set parameters and structure. For example, you might have a Google Docs template for planning a blog article, with all of the typical sections you’d need to fill out to facilitate that plan. It’s basically a tool you can use to automate part of your writing process.

Google Docs is one of the many tools you gain access to when you create a Google Drive account. As stated by Edward Mendelsohn from PC Magazine speaking on the Google Drive suite:

Google Docs is completely free, and is primarily a web-based application that stores and creates documents on the cloud. Text documents, slide presentations, spreadsheets , drawings, surveys, you name it; these can all be created using Google Docs.

It’s also a powerful collaboration tool, allowing multiple simultaneous edits in real time across a single file, making it especially suited for remote teams.

Since 2006, Google Docs has been continuously improved upon and polished into a refined document management system.

Every organization needs business processes

It’s here that we determine what Google Docs is as opposed to what Google Docs is not .

Google Docs is a sublime document writing tool. Writing reports, CVs, invoices, or project proposals has never been easier. It’s part of the G Suite ; a suite perfectly suited for document management . But Google Docs is not applicable for process management .

Think about it. Your business processes are an ever-changing and dynamic network of tasks. Tasks need to be completed in a specific order, by specific personnel, at specific times, to get a specific job done. To incorporate something like a Google Docs .doc file into a business process, you need a proper system in place to facilitate automation and integrate these static components together.

Mouses at the ready!

For those of you who are new to the Google Docs platform, have no fear, Process Street is here. Below we have detailed our 3-step process to help you set up a Google Docs account and understand the ground rules.

Step 1: Create a document

Open Google Doc’s home screen . In the top left corner, under Start a new document , click Blank + .

Step 2: Edit and format

Once your new document is open, you can type and edit as required. Edit text, paragraphs, spacing and more.

Step 3: Share and work with others

Sharing is caring, and you can share files and folders using Google Docs. Select whether the user can edit, view, or comment on your documents.

On top of these three steps, the true value of Google Docs comes with the implementation of the app’s core features:

  • Talk instead of type : Say bye-bye to butter-fingers and hello to Google Doc’s built-in speech to text tool. With this feature, words will populate your Google Docs document as you speak. To use this feature, go to Tools > Voice typing . On the right-hand side of your Google Chrome screen, a microphone will appear. Toggle the microphone to control voice activation as required.
  • Clear formatting : Text can easily be highlighted and edited to alter font and font size. Remove formatting from pasted text by highlighting the text, and selecting Clear formatting .
  • Suggestion mode : Stop, collaborate, and listen. Entering edit mode will track changes as they are made. Opportunity is also provided to accept or reject these changes. On the upper right-hand corner of the document, select Suggesting .
  • Add comments and tag others : Draw attention to comments added by tagging relevant individuals. When writing the comment, add a @ or + sign. An email will alert the tagged individuals of the comment made.
  • Add bookmarks : For long documents, bookmarks can be added meaning less scrolling. To add a bookmark, select Insert > Bookmark . A small bookmark item will be added to the edge of your document.
  • Revision history : Step back in time and return to an earlier version of the Google Docs document by going to File > See revision history . Click the version you want to revert to.

At the end of our Hotel Sustainability Audit workflow, a report is produced detailing your results. You’re presented with the option to export this report as a Google Docs .doc file, or other file type of your choice. By doing so, you can utilize two tools – Process Street and Google Docs – and reap the benefits they bring, in one swift, quick click.

In this case, an effective , efficient and productive audit process has been run with the help of Process Street. The audit report has then been exported from Process Street to Google Docs for sharing, team edits, and collaboration.

If you’re a student searching for a way to keep your assignments organized, congratulate yourself for taking the time to set yourself up for success. Tracking your assignments is one of the most important steps you can take to help you stay on top of your schoolwork .

In this Writing Tips blog post, we’ll discuss why keeping an inventory of your assignments is important, go over a few popular ways to do so, and introduce you to our student assignment tracker, which is free for you to use.

Why Tracking Is Important

Keeping your assignments organized is essential for many reasons. First off, tracking your assignments enables you to keep abreast of deadlines. In addition to risking late submission penalties that may result in low grades, meeting deadlines can help develop your work ethic and increase productivity. Staying ahead of your deadlines also helps lower stress levels and promote a healthy study-life balance.

Second, keeping track of your assignments assists with time management by helping prioritize the order you complete your projects.

Third, keeping a list of your completed projects can help you stay motivated by recording your progress and seeing how far you’ve come.

Different Ways to Organize Your Assignments

There are many ways to organize your assignment, each with its pros and cons. Here are a few tried and true methods:

  • Sticky notes

Whether they are online or in real life , sticky notes are one of the most popular ways to bring attention to an important reminder. Sticky notes are a quick, easy, and effective tool to highlight time-sensitive reminders. However, they work best when used temporarily and sparingly and, therefore, are likely better used for the occasional can’t-miss deadline rather than for comprehensive assignment organization.

  • Phone calendar reminders  

The use of cell phone calendar reminders is also a useful approach to alert you to an upcoming deadline. An advantage to this method is that reminders on your mobile device have a good chance of grabbing your attention no matter what activity you’re involved with.

On the downside, depending on how many assignments you’re juggling, too many notifications might be overwhelming and there won’t be as much space to log the details of the assignment (e.g., related textbook pages, length requirements) as you would have in a dedicated assignment tracking system.

  • Planners/apps

There are a multitude of physical planners and organization apps for students to help manage assignments and deadlines. Although some vow that physical planners reign superior and even increase focus and concentration , there is almost always a financial cost involved and the added necessity to carry around a sometimes weighty object (as well as remembering to bring it along with you).

Mobile organization apps come with a variety of features, including notifications sent to your phone, but may also require a financial investment (at least for the premium features) and generally will not provide substantial space to add details about your assignments.

  • Spreadsheets

With spreadsheets, what you lose in bells and whistles, you gain in straightforwardness and customizability – and they’re often free! Spreadsheets are easy to access from your laptop or phone and can provide you with enough space to include whatever information you need to complete your assignments.

2. The first tab in the spreadsheet will display several premade assignment trackers for individual subjects with the name of the subject in the header (e.g., Subject 1, Subject 2). In each header, fill in the title of the subjects you would like to track assignments for. Copy and paste additional assignment tracker boxes for any other subjects you’d like to track, and color code the labels.

3. Under each subject header, there are columns labeled for each assignment (e.g., Assignment A, Assignment B). Fill in the title of each of your assignments in one of these columns, and add additional columns if need be. Directly under the assignment title is a cell for you to fill in the due date for the assignment. Below the due date, fill in each task that needs to be accomplished to complete the assignment. In the final row of the tracker, you should select whether the status of your assignment is Not Started , In Progress , or Complete . Please see the example of a template that has been filled in (which is also available for viewing in the Example tab of the spreadsheet):

4. Finally, for an overview of all the assignments you have for each subject throughout the semester, fill out the assignment tracker in the Study Schedule tab. In this tracker, list the title of the assignment for each subject under the Assignment column, and then color code the weeks you plan to be working on each one. Add any additional columns or rows that you need. This overview is particularly helpful for time management throughout the semester.

1. Make a copy of the student assignment tracker .

2. Fill in the title of the subjects you would like to track assignments for in each header row in the Assignments tab.

3. Fill in the title of each of your assignments and all the required tasks underneath each assignment. 

4. List the title of the assignment for each subject and color code the week that the assignment is due in the Study Schedule .

Microsoft Word Template

When you click on a template image above, you will be able to download a copy of that assignment’s template, which you can then open in Microsoft Word.

Then you should be able to easily fill out the Commitment to Academic Integrity Form and complete your assignment in the template as needed. Just make sure you don’t do anything to change the formatting.

Once you have finished a foundation assignment, simply save it and submit that file to UB Learns !

Meanwhile, once you have finished an absence make-up assignment, save it and email it to me !

Be aware that UBIT does not currently support Google Docs. So if something goes wrong, you may be on your own 😰. For this reason, you might use Microsoft Word instead.

However, you can just copy this template into your own Google Docs so you can write in it . Do this by clicking on the “File” menu in Google Docs and select “Make a copy”.

Once you have your own copy of the template, make sure you click the “View” menu in Google Docs and select “Print Layout”. This will let you see how the assignment is supposed to look.

Once you have finished the assignment, you go to the “File” menu in Google Docs and select “Print”. This will save a PDF version of your assignment on your computer.

If it is a foundation assignment, you can now submit that PDF to UB Learns . Or if this is a make-up assignment, email that PDF to me .

Moreover, you might not even be able to keep track of all of them, resulting in missed assignments and potentially bad marks.

Having an assignment tracker to keep every task means you’ll be able to organize, stay on top, and complete all your assignments on time. All you need to do is open our Assignment Tracking Template , hit the  “Make a copy”  button and start sorting out your to-do list.

What Should a Good Homework Spreadsheet Have?

In general, you’ll want a few fields that will help describe your assigned tasks and some markers for better organization. Here are some essential components to look for:

  • Assignment description: An efficient assignment tracking template will have space so you can jot down assignment notes. This avoids confusion and lets you anticipate the difficulty of your to-dos.
  • Dates:  Having dedicated fields for your due dates lets you plan your schedule better. This way, you know how much time you have to complete a task. Additionally, when paired with your assignment notes, you can sort them according to priority levels.
  • Completion status: Keeping track of task statuses lets you know which tasks have started, are in progress, are accomplished, or need revision. Moreover, it’s also a great way to remember which tasks you need to return to.
  • Subject and type:  You also want to categorize your assignments into their respective subjects. Another way to group them is by assignment type, including papers, lab reports, collaborative work, and similar tasks.

The components above are only a few useful fields in an assignment tracking template. For example, some spreadsheets also include monthly views or trackers for semester-wide assignment lists . Templates such as these will undoubtedly have other categories you’d need to explore.

Basic Assignment Tracking Template

With all the considerations laid out above, we created a simple but effective assignment tracking template you can use for free. While it may only feature a single functional tab, it has nine named columns you can organize according to your tasks.

Column A—Days Remaining

This is self-explanatory, but you can refer to this column to see the number of days you have left to do or submit your assignment. Depending on the days remaining, you can also decide which tasks to prioritize according to their deadlines.

The cells under this column are automatically updated using our pre-loaded formulas , so avoid modifying them. Instead, you can change the values under the last two columns of this template.

Columns B to D—Tags for Status, Subject, and Task Type

Under these columns, you can set the categories of your assignments either by their completion status, class, or assignment type. You can select the values from the drop-down lists that come with the template based on the American curriculum.

Additionally, these statuses are associated with specific colors, making them more visual so that you can view and handle multiple ongoing tasks more efficiently. If the subjects listed differ from what you’re currently taking, you can modify the options.

To modify the subject options, follow the steps below:

  • First, click on a cell’s drop-down list and locate the pen icon at the bottom.

  • Click the pen icon to open the drop-down settings on the left-hand side of your screen.
  • Change the values listed on the options, such as editing Math  to Physics.
  • Once you’ve set your preferred selection, click the “ Done” button.

  • Upon clicking, a pop-out might appear on your screen asking whether to apply the changes to a wider cell range.
  • Simply click “Apply   to all”  to replicate the changes to the other cells.

Another handy feature is the filter option in the “Status”  column. You can use this to view your tasks based on their completion level. For example, you can choose to see only the in-progress tasks. Here’s how you do it.

  • To get started, click on the filter icon next to the “Status”  label.

  • You should see a list of values with checkmarks on their left side once you scroll down.
  • To deselect all of them, click on “ Clear.”

  • Next, begin selecting the tasks you want to see per status, such as To start  and In-progress.
  • Finally, click “OK.”

  • To revert the view, simply follow steps one to five, ensuring to select all the categories again.

Columns E to I—Assignment Details

You can start entering the information you know about the tasks at hand. The columns E to G are divided into three categories: Assignment Title, Description, and Files/Links. If your assignment has attachments and URLs, such as resources, you can keep them in the last column mentioned.

Meanwhile, columns H to I serve as fields where you can input the dates when your task is given and when you need to submit it. Take note that these are installed with data validation rules—you can’t enter values that aren’t valid dates. These values are also used to calculate the Days Remaining column.

Semester Assignment Spreadsheet

If you are looking to plan your entire semester ahead of time with your potential tasks, this is a helpful assignment tracking template. It’s much simpler than the previous spreadsheet discussed and gives you a semester-wide overview of your assignments.

This assignment tracking template has only three fields that you can update. The first field is the (1) Date , which is located under the seven days of the week (with a total of fifteen weeks in the spreadsheet as per the American semester.)

The second is the (2) Tags  field, which allows you to categorize your tasks according to the subject. As with the other template, these tags are color-coded for an easier view. Lastly, you can also populate the (3) Assignment Details , the blank spaces beside the tags.

Tasks in Docs are only available for eligible work or school accounts, and you’re not currently signed in. Learn more about work and school accounts .

Sign in to your work account

Assign a task in Google Docs

  • On your computer, in Google Docs, open a doc.
  • In the document, enter @task and press Enter.

and then

  • In the document, enter @checklist and press Enter .
  • Enter a task in the checklist.

  • You can assign a task to yourself or other users in your domain.
  • Optional: To set a date for the task, click Date and pick a date from the calendar.
  • To assign the task, click Add .
  • When you assign a task to someone, they receive an email notification that includes your email address. They can view the task in their personal Tasks list and on their Google Calendar if the task has a set date. Learn more about shared tasks .
  • Anonymous users can't assign or edit Tasks in a Google Doc.

View or edit a task in Docs

  • If a task is completed, its title will be crossed out.
  • Title: Type in the checklist item text and press Tab to update. 
  • If you edit the user the task is assigned to, both the previous assignee and the new assignee will receive an email notification. 

Mark a task complete in Docs

  • In Google Docs, open a doc with assigned tasks.
  • Find an assigned checklist item.
  • If a task is marked as completed in the doc, it'll show as completed in the assignee’s personal Tasks list and they’ll get an email notification.

Delete a task in Docs

  • On the left of an assigned checklist item, point to the icon.

Tips : 

  • If a task is deleted in the doc, it won't appear in the assignee’s personal Tasks list. If the task wasn’t already completed, the assignee will receive an email notification.

Manage updates to tasks in Docs

On the icon to the left of the checklist item, a blue dot may appear. This can happen when:

  • Someone updates the checklist item in the doc but doesn’t update the task.
  • The assignee of a task updates the task title in Tasks, but doesn’t update the checklist text in the doc.
  • Someone reverts the document to an earlier version.

To fix the issue and remove the blue dot:

  • Point to the task with a blue dot.
  • At the bottom right of the pop up window, click Update .

Tip: A blue dot may also appear on a task icon if the assignee updates or deletes the task in their personal Tasks list, but doesn’t have edit access to the doc.

  • To fix this, point to the blue dot and click Yes .
  • To prevent this, make sure the assignee has edit access to the doc .

Change task notifications

You can change the notifications you receive for tasks in a document.

  • On your computer, open a Google Doc, Sheet, or Slide.

Open comments

  • All comments and tasks: When any tasks are created or changed.
  • Comments and tasks for you: When others reply to tasks or comments you're added to.
  • None: Never receive emails about comments or tasks for that file.

If you’re ditching the paper to-do’s in favor of a Google Docs planner, there are some tips you can use to make assignments a bit more visually appealing .

Here’s how to digitally cross off your tasks, plus a few more Google Docs tips and tricks to implement into your digital workspace .

How to strikethrough in Google Docs

A strikethrough is as it sounds – a digital slash through your text. It can be useful for task lists or adding edits to papers. Here’s what a strikethrough looks like. 

You only need to make a few clicks to access this feature on Google Docs:

  • Highlight the text you want to cross out
  • Select “Format” from the top menu
  • Choose the first item on the dropdown menu: “Text”
  • Select “Strikethrough”

Another, hassle-free approach to strikethrough is to find it by searching in the “Help” option in the top left-hand menu. Highlight your text first, and then you should only have to type a few letters of the word “strikethrough” before the option comes up.

What is the shortcut for strikethrough in Google Docs?

You can also use a keyboard shortcut to strike your text. To do this, highlight the text you want to cross out and simultaneously press Alt+Shift+5 on your keyboard.

To undo a strikethrough, hit the same combination of keys again or “undo” the action.

How to insert a checkbox in Google Docs

If you want the satisfying press of a checkbox for your to-do list, try the checklist function in Google Docs. Checklist operates similarly to a bullet-pointed list but allows you to check and cross off the items.

To insert a checkbox list, select the “Checklist” option on the second toolbar menu. You’ll find this function nestled between the “Line & paragraph spacing” and traditional bullet point options. There’s also a dropdown menu that allows you to choose how you check off an item – with a checkmark and a strikethrough or just a checkmark.

To insert a checkbox with a keyboard shortcut, press Ctrl+Shift+9.
