  • Email Cover Letter: An email cover letter is written to accompany a resume that's emailed to apply for a job.
  • Letter of Interest:  A letter of interest , also known as a prospecting letter, inquires about possible job openings at a particular company.
  • Networking Letter:  Networking letters request job search advice and assistance. These can be addressed to colleagues, to individuals you have met at professional conferences or other industry events, or to people to whom you connected through professional social networking sites like LinkedIn.
  • Value Proposition Letter:  A value proposition is a brief statement explaining what makes the candidate unique.

As mentioned above, your cover letters should be targeted to the potential jobs you are interested in. This means that, before writing an application letter, a referral cover letter, a letter of interest, or a value proposition letter, you need to do your homework and research the company you are sending your letter to.

You can then demonstrate in your letter how your skillset and work experience would strongly contribute to the organization should they hire you.

When creating a letter of application for a job, be sure to include details about how your professional experience relates to the qualifications and requirements listed in the job posting.

Taking the time to match your cover letter to the job posting can help you get selected for an interview.

This makes it easy for the hiring manager to determine that you're a good candidate. You should also try to echo as many of the keywords listed in the job description as possible, both in your cover letter and your resume.

What is a Cover Letter? 

A cover letter is a one-page document that you submit as part of your job application, alongside your resume . 

Its purpose is to introduce you and briefly summarize your professional background. On average, your cover letter should be from 250 to 400 words long .

A good cover letter can give the hiring manager more insight into what makes you a good candidate and help them make up their mind about whether they should invite you for an interview. A bad cover letter, though, will get ignored (at best) and lose you the job (at worst).

So, to make sure this doesn’t happen, it’s essential to know how to write a convincing cover letter.

The first thing to remember is that a cover letter is a supplement to your resume, not a replacement. Meaning, you shouldn’t just repeat whatever is mentioned in your resume and call it a day. 

Optimally, you should use your cover letter to shed more light on your skills and qualifications, as well as explain anything you didn’t have space for in your resume (e.g. a career gap or why you’re changing careers).

If you’re writing a cover letter for the first time, though, putting all this together might seem pretty tough. 

Fortunately, you can follow our tried-and-tested format to make the experience much easier:

  • Header - Input your contact information.
  • Greeting the hiring manager - Open the cover letter with a “Dear Sir or Madam,” or use the hiring manager’s name if you know what that is.
  • Opening paragraph - Grab the hiring manager’s attention by getting straight to the point. Mention what your professional experiences are, and what role you’re applying for.
  • The second paragraph - Explain why you’re the perfect candidate for the job. Mention your top 2-3 achievements, your top skills, why you want to work in that specific industry, and whatever else is relevant.
  • The third paragraph - End your cover letter with a call to action. E.g. “I would love to meet personally and discuss how I can help Company X.”
  • Formal closing - Something like this: “Thank you for your consideration. Best, John Doe.”

9 Tips to Write a Cover Letter (the Right Way)

Now that we've covered the basics, let's talk about cover letter tips . Below, we'll give you all the knowledge you need to take your cover letter from "OK" to "great."

#1. Pick the right template

A good cover letter is all about leaving the right first impression.

And what’s a better way to leave a good impression than through a professional, well-formatted, and visual template?

#2. Add your contact details on the header

The best way to start your cover letter is through a header. 

Here’s what you want to include there:

  • Phone Number
  • Name of the hiring manager / their professional title
  • Name of the company you’re applying to

Optionally, you can also include the following:

  • Social Media Profiles - Any type of profile that’s relevant to your field. Social Profiles on websites like LinkedIn, GitHub (for developers), Medium (for writers), etc.
  • Personal Website - If you have a personal website that somehow adds value to your application, you can mention it. Let’s say you’re a professional writer. In that case, you’d want to link to your content portfolio site or blog.

#3. Greet the hiring manager the right way

Once you’ve listed all your relevant contact information, it’s time to address the hiring manager reading your cover letter. 

A good practice here is to find the hiring manager’s name and address them directly instead of using the traditional “dear sir or madam.” This shows that you’re really invested in the company and that you took your time to do some research about the job.

So, how can you find out the hiring manager’s name?

One way to do this is by looking up the head of the company’s relevant department on LinkedIn. Let’s say you’re applying for the position of Communication Specialist at Novoresume. The hiring manager is probably the Head of Communications or the Chief Communications Office.

Or let’s say you’re applying for the position of server at a restaurant. In that case, you’d be looking to find out who the restaurant manager is.

If this doesn’t work, you can also check out the “Team” page on the company website; there’s a good chance you’ll at least find the right person there.

If you still can’t find out the hiring manager’s name, here are several other greetings you can use:

  • Dear [Department] Hiring Manager
  • Dear Hiring Manager
  • To whom it may concern
  • Dear [Department] Team

#4. Create an attention-grabbing introduction

Recruiters get hundreds, sometimes even thousands, of applications. Chances are, they’re not going to be reading every single cover letter end-to-end.

So, it’s essential to catch their attention from the very first paragraph.

The problem with most cover letter opening paragraphs, though, is that they’re usually extremely generic, often looking something like this: 

Hey, my name is Jonathan and I’d like to work as a Sales Manager at XYZ Inc. I’ve worked as a sales manager at MadeUpCompany Inc. for 5+ years, so I believe that I’d be a good fit for the position.

As you can probably tell, this opening paragraph doesn’t tell the hiring manager anything other than that you’ve worked the job before - and that’s not really helpful in setting you apart from other candidates. 

What you want to do, instead, is start off with 2-3 of your top achievements to really grab the reader’s attention. Preferably, the achievements should be as relevant as possible to the position. 

For example:

My name’s Michael and I’d like to help XYZ Inc. hit and exceed its sales goals as a Sales Manager. I’ve worked with Company X, a fin-tech company, for 3+ years. As a Sales Representative, I generated an average of $30,000+ in sales per month (beating the KPIs by around 40%). I believe that my previous industry experience, as well as my excellence in sales, makes me the right candidate for the role of X at Company Y.

The second example shows how the candidate is a top performer. The first just shows that they’ve worked a sales job before.

#5. Show you’re the perfect person for the job

One great thing about cover letters is that they allow you to expand more on the top achievements from your resume and really show the hiring manager that you’re the right person for the job. 

A good way to do that is to first read the job ad and really understand what skills/experiences are required, and then to ensure that your cover letter touches upon the said skills or experiences.

In my previous role as a Facebook Marketing Expert at XYZ Inc. I handled customer acquisition through ads, managing a monthly Facebook ad budget of $20,000+. As the sole digital marketer at the company, I managed the ad creation and management process end-to-end. This means I created the ad copy and images, as well as picked the targeting, ran optimization trials, and so on.

#6. Explain why you’re a great company fit

The HR manager doesn’t only look at whether you’ll be good at the job or not. They’re looking for someone that’s also a good fit for the company culture.

To convince the hiring manager that you’re a great company fit, do some research on the company and find out what it is you like about them, or about working there. You want to know things like:

  • What’s the company’s business model?
  • What’s the company's product or service? Have you used it?
  • What’s the culture like? Will someone micro-manage your work, or will you have autonomy on how you get things done?

Then, turn your top reasons for liking to work there into text and add them to your cover letter! 

#7. Wrap up with a call to action

To make the end of your cover letter as memorable as possible, you want to:

  • Wrap up any points you couldn't in the previous paragraphs. Mention anything you’ve left out that you think could help the hiring manager make up your mind.
  • Thank the hiring manager for their time. After all, it never hurts to be polite. 
  • Finish the cover letter with a call to action. A call to action is a great way to make your cover letter ending as memorable as possible. 

#8. Write a formal closing

Once you’re done with the final paragraph, all you have to do is write down a formal “goodbye” and you’re good to go.

A great cover letter should be personalized for each job you’re applying for, instead of being overly generic. It’s also preferable to address the hiring manager by their name and not use the overly-used “Dear Sir/Madam.”

To make a great first impression, you should mention 1-2 of your top achievements in your opening paragraph - the more job-specific they are, the better. Also, don’t stop at showing the hiring manager why you’re a great candidate for the job. Make sure to also talk about how you’re a good culture fit for the company.

Last but not least, wrap up your closing paragraph with a call to action to give the hiring manager a little extra something to remember you by.

We are all familiar with writing the application of leave of absence at least once in our lives. If you can’t relate, there are countless other times application letters are written. It can be for a job, asking for permission to host a football competition on the school grounds, asking for a transfer certificate after your dad gets posted somewhere else, etc. Here, I will tell you how you will write a general application letter.

What is an Application Letter?

If you’ve been following, the letter you write when you request for something, ask permission for something or apply for something, is an application letter. It is usually a one-page letter. It can be written for domestic or professional purposes. It can also accompany documents sometimes, like job application letters. So to say, application letters encompass more than cover letters; they can be an inquiry and a request letter too.

Types of Application Letters:

Following this thread, application letters can be classified into 3 broad groups . They include:

Let’s break things down.

Suppose you are writing an application to your college professor for the retake of your Microeconomics exam. Here’s how you draft your piece:

  • Start with the date.
  • Include the name of the professor, his post, department, and name of the university. Your professor can be an external or internal faculty. If he is an external faculty, mention this and the name of your university. If not, you still should include it to make things more precise. Add his contact information.
  • Follow this up with the date. Proceed to the subject line, here, application for the retake on an exam is the subject.
  • In the first paragraph, introduce yourself. Mention your name, batch, and program, followed by the course name. Now state why you are writing, which is to apply for the retake of your Microeconomics exam.
  • Next paragraph should mention the reasons for you to skip the exam. Make sure they are valid grounds. If you had been sick, attach prescriptions or documents from the appointment. If you had been away for personal issues, give brief details of the event.
  • In the closing paragraph, ask him/her to excuse you on these grounds and to retake your exam and say how it will be beneficial to you.
  • Close with your details. Don’t forget to add your contact information like the mailing ID here.

Tips to Remember:

  • Take care of the readability and white space in your letter.

How to Write a General Letter

All letters follow a strict format and structure that you will need to adhere to and follow. If you need a reference for your letter-writing efforts, you may use any of the letter templates, letter examples, and letter samples on the list above.

Step 1: Select the Subject of the Letter

Begin by selecting the subject of the letter. This will determine the theme, tone, and content you will write in the letter.

Step 2: Write Down the Address of the Reciever

After you have selected the letter, you will need to write down the receiver’s address on the top portion of the letter. Be sure the letter address is properly formatted and has the current contact information of the receiver.

Step 3: Properly Write the Salutation

Be sure to properly write and address the salutation to the correct person. This is because the salutation will indicate the person who will need to read the letter.

Step 4: Write the Body of the Letter

When you have finished writing the salutation, you will now create the body of the letter. Be sure to properly observe the paragraph structure and proper punctuation.

Step 5: Properly Sign Off the Letter

Common terms.

Assumable mortgage

Unlike a traditional mortgage, an assumable mortgage is passed directly from seller to buyer, bringing its remaining balance and interest rate with it. Only FHA, VA, and USDA mortgages can be assumed. Some eligibility requirements may apply, and down payments can often exceed 20% if a property has appreciated in value since the start of its mortgage.

Bi-weekly mortgage

A bi-weekly mortgage is a mortgage in which the borrower makes half of their monthly mortgage payment every two weeks, rather than paying the full payment amount once every month.  So if you paid monthly and your monthly mortgage payment was $1,000, then for a year you would make 12 payments of $1,000 each, for a total of $12,000.  But with a bi-weekly mortgage, you would make 26 payments of $500 each, for a total of $13,000 for the year.  This can help the borrower pay off their mortgage loan sooner and reduces the total amount of interest paid over the life of the loan.).

A borrower is a person who takes out a loan from a lender.  For a mortgage loan, the borrower often is also referred to as the mortgagor (and the bank or lender the mortgagee).

Conventional loan

A conventional loan is a type of mortgage that is not insured or guaranteed by the government.

Debt-to-income ratio

A debt-to-income ratio is a factor looked at by lenders when qualifying a borrower for a mortgage loan.  The DTI is a number that lenders use to determine how well a borrower can handle their monthly debts. Your debt-to-income ratio is the number you get when you divide your monthly debt payments by your monthly gross income.  Many lenders will want to see that your DTI is 36% or lower.

Down payment

A down payment is that portion of the purchase price of a home that the buyer pays upfront; usually the balance of the purchase price that is needed to buy the home is borrowed from a lender by way of a mortgage loan.

Homeowners insurance

Homeowners insurance is a type of property insurance. It protects you from damage (for example, from fire) to your home or possessions. Homeowners insurance also provides liability insurance against claims by people who might be injured due to accidents in your home or on the property.

Interest-only mortgage

An interest-only mortgage is a type of loan in which the borrower only pays interest on the principal balance for a set time, usually five to seven years. At the end of the interest-only period, the borrower must either pay the principal back entirely or begin making payments of both principal and interest.

Loan, and Mortgage Loan

A loan is money that is borrowed by one person or company from another, under an agreement whereby the borrower promises to re-pay the loan amount to the lender, usually plus interest.  A mortgage loan is a type of loan for buying or financing real estate, where the borrower agrees that if they fail to repay the loan as promised then the lender may sell the real estate in order to recover the un-paid loan amount(s) out of the sale proceeds (in a process called foreclosure).

Loan-to-value ratio (LTV)

The loan-to-value ratio (or. LTV) is a factor looked at by lenders when qualifying a borrower for a mortgage loan.  The LTV compares the amount of a loan to the value of the asset being financed:  the amount you are borrowing divided by the price of the property being purchased or financed.  So the LTV is 66.66% on a $300,000 house where the amount being borrowed to purchase it is $200,000 (meaning the down payment is $100,000).  The lower your LTV the easier it will be to qualify for a mortgage loan.  For example, many conventional loans require that your LTV be no higher than 80%.  Of course, the greater your down payment amount, the better/higher your LTV will be.

A payment is an action that transfers money from one person or entity to another. Payments can be made in various ways, such as with physical currency, such as coins or bills, with a check (personal, cahiers, or otherwise) or with electronic forms of payment, such as debit or credit cards or electronic funds transfers (a transfer effected digitally, from one bank account to another).

Real estate

Real estate is land, or a parcel of land, either vacant (un-improved) or improved with structures such as a house, apartment building, commercial building, etc. Real estate, especially once it is thus “improved,” can serve as a place of business or residence and can be used to produce income, such as through renting or leasing.  Real estate also can refer to a particular kind of legal interest in a land parcel (whether or not improved), such as ownership or entitlement to occupancy under a lease.

Reverse mortgage

A reverse mortgage is a type of loan that allows seniors to borrow against the value of their homes. The loan does not have to be repaid until the borrower moves, sells, or dies.

The Federal Housing Administration (FHA), FHA Loan

The Federal Housing Administration (FHA) is an agency of the U.S. government.  An FHA loan is a mortgage loan that is issued by banks and other commercial lenders but guaranteed by the FHA against a borrower’s default.  FHA loans make home ownership more possible for borrowers than it otherwise would be through conventional mortgage loans, because an FHA loan permits relatively low down payments, limits closing costs the borrower pays, and is accessible to borrowers who have a relatively lower credit score.  These features make an FHA loan particularly useful for many first-time homebuyers who have not yet saved enough for the amount of down payments that commercial lenders usually require for a conventional loan.

Veterans Affairs Department (VA), VA loan 

The Veterans Affairs Department (VA) is an agency of the U.S. government.  A VA loan is a mortgage loan that is available to current and former members of the military (and select military spouses), issued by banks and other commercial lenders, but guaranteed by the VA against a borrower’s default.  VA loans make home ownership more possible for borrowers than it otherwise would be through conventional mortgage loans, primarily because a VA loan does not require any down payment.  Additionally, interest rates offered for VA loans often turn out to be lower than those offered for conventional loans.
