How to Properly Write a Business Loan Request

We don’t blame you. These kinds of letters aren’t as common as they used to be. While online lenders don’t usually ask for small-business loan requests, some traditional banks and credit unions still do. And if you apply for an SBA business loan (a loan backed by the US Small Business Administration), you’ll need a small-business loan request as part of your loan application package.

No matter which lender you’re applying with, this guide will help you write a strong business loan request letter―and to get the business loan you need.

How to write a business loan request letter

1. Start with the easy stuff

Writing a loan request can feel overwhelming. After all, it’s not an everyday part of being a small-business owner. What do you say when applying for a bank loan? How do you write a business proposal for your loan application? What’s your lender even looking for in a business loan request letter?

That’s why we suggest starting your request writing process with the easy bits: formatting.

You’ll want to begin your business loan request with some pretty standardized formatting that includes your contact information, the date, your lender’s contact information, a subject line, and a greeting.

Typically, you’ll want to format the beginning of your small-business loan request roughly like this:

First and last name

Business’s name

Business’s phone number

Business’s address (this one is optional)

Lender name (or loan agent’s name and title, if you have one)

Contact information for your lender or loan agent

Subject line

Obviously you can simply plug in the relevant information for most of this. Easy peasy, right?

You’ll really only have to come up with your own subject line and greeting. But don’t overthink it. Something like this will work just fine for your subject line:

  • Re: [Your business’s name] business loan request for [loan amount]

Likewise, keep your greeting simple. “Dear [lender]” or “Dear [loan agent]” will do quite nicely.

Got all that? Then you’re ready to get into the actual loan request.

2. Write a brief summary

Before you dive into the meat of your loan request, you should give a brief summary of your letter. Just write a short paragraph that says why you’re writing and what you want.

So you’ll probably want to include the following details:

  • Business name
  • Business industry
  • Desired loan amount
  • What you’ll use the loan for

No need to get fancy with this. You’re trying to condense the most important information into one or two sentences.

For example, your summary might look something like this:

  • I’m writing to request a [loan amount] loan for my small business in the [industry name] industry, [business name]. With this loan, [business name] would [describe your intended business loan use].

As you can see, you don’t need much detail here. You’re just giving the reader a quick overview of what’s to come.

And now that you’ve given them that preview, it’s time to get more in depth.

Remember, your lender isn’t here to grade your writing. Try to use good spelling, grammar, and punctuation―but don’t stress about crafting beautiful sentences.

3. Add information about your business

Your next section should add more detail about your business. You’ll want to include information like this:

  • Business’s legal name (if different than name used)
  • Business’s legal structure (LLC, partnership, S corp, sole proprietorship, etc.)
  • Business’s purpose
  • Business’s age (or date it began operating)
  • Annual revenue
  • Annual profit (if applicable)
  • Number of employees

Now, keep in mind that you’re not trying to give your reader an encyclopedic history of your business. Instead, you’re trying to show that you have a well-established business―one that’s solid enough to deserve a business loan. So focus on relevant details that show your business’s maturity.

You can keep this section as short as a few sentences or as long as a few (brief) paragraphs. Just make sure you leave plenty of room for the next two sections.

4. Explain your financing needs

After discussing your business, it’s time to explain why you need a bank loan.

That means you’ll want to offer some details about how you plan to use your business financing. For example, you can talk about the employees you plan to hire, the building you want to expand, or whatever else you intend to do with your term loan .

Take note, though, that you also need to explain why your loan request makes sense. Because your lender doesn’t really care that you want a loan―it cares whether or not it makes sense to lend to you. You need to convince your lender that you have a good plan for your loan―one that will make it easy to repay the money you borrow.

Try to answer questions like these as you write this section:

  • Why should your lender want to approve your loan application?
  • What happens to your business if you get your small-business loan?
  • What kind of growth will your business loan allow for?

Dig into your business plan and projections to find some good stats. Explain how hiring those additional employees will increase your revenue by a certain percentage or dollar amount. Break down how opening that add-on to your restaurant will allow you to seat a number of additional customers, and how much revenue you expect that to bring in.

The more specific you can get, the better. Because again, you’re trying to convince your lender that you’re borrowing as part of a thoughtful business plan ―not just because you want some cash.

And take your time with this part. In most cases, this section and the next one will form the meat of your business loan request letter. 

As a rule, you should keep your business loan request letter to one page.

5. Discuss your repayment plan

By this point, your lender should understand what your business does and why a loan would help it grow. Now you need to prove to your lender that you can repay your small-business loan.

This doesn’t mean you have to show precise calculations breaking down your desired interest rate and monthly payment. (After all, your bank probably hasn’t even committed to a specific interest rate yet.)

Instead, talk about things like your business’s past finances, other existing debts, and any projections can you offer.

So if you have a profitable business, point that out, and discuss how that will free up cash flow to repay your loan. Offer summaries of profit-and-loss statements that show your business has been growing. Tell your lender how you’ll pay off that existing loan within a few months, so they don’t need to worry about it interfering with repayment of your new term loan.

Put simply, this is your chance to convince your lender of your creditworthiness. Especially if you have a slightly low credit score or some other concern, you want to use this section to show that you will absolutely repay your loan.

6. Close the letter

Finally, you can add a few finishing touches.

Usually you should close with a short paragraph or two that refers the reader to any attached documents (like financial statements) and asks them to review your loan application.

You may also want to include a sentence expressing willingness to answer any questions―or just saying you’re looking forward to hearing back.

Then end things with your signature, list any enclosed documents, and you’re done!

Well, sort of.

At this point, we strongly recommend you print off your business loan request letter and read it―out loud, if possible. This will help you catch any errors. Because no, your lender isn’t a writing teacher, but you still want to make a good impression.

Plus, if you make typos on something like your business name or desired loan amount, that inaccuracy could lead to confusion from your lender―slowing down your loan approval process.

Once you’ve proofread your loan request letter, you’re ready to submit it to your lender. With any luck, your thoughtful letter will help convince your lender to give you that loan you want.

So how do all those steps look when you put them together? Something like this:

            First and last name

This first paragraph should summarize the rest of your letter. Keep it to just a couple sentences.

The next one to three paragraphs add more detail about your business. Include facts about its age, revenue, profit, employees, and other relevant information.

Then explain why you need financing and how you’ll use it to grow your business. This section can be a little longer (but remember your whole letter  should fit on one page).

Next, talk about how your business will repay your loan. You may want to mention how financial documents show your business’s financial health, for example.

Finally, close with a short paragraph or two that list any enclosed documents and invite the lender to consider your loan application.

A loan request letter to the employer is a letter that is written by an employee who is seeking a loan. It is addressed to the employer of the organization, who has the authority to grant a loan. The letter is intended to put forward the loan request to the employer and seek financial help.

The employee may need finances for many reasons, such as house renovations, weddings, education of the children, purchase of shares, investments, etc. One of the options available to an employee is to seek a loan from the company he is working in. Usually, the employee chooses this option over the option of banks or other financial institutions, as the former is less complicated than the latter as well as the chances of the loan being granted are higher in the first choice. 

When an employee wants to apply for a loan, he writes a formal letter, in which he makes a request for the loan allotment. Therefore, this letter is referred to as a loan request letter to the employer. The information included in such a letter may vary depending on the reason and the amount of the loan as well as the creditworthiness of the employee and the company policies. However, the general details included in such letters are:

  • Employee information.
  • Employer information.
  • Request for the loan.
  • The reason behind the loan request along with its justification.
  • Details of the loan being sought, including the amount, requested date, requested payment schedule, requested interest rate, etc.
  • Reference to the attached documents, if any.
  • Contact details for any queries.
  • Salutation and gratitude.

This letter is like a formal communication between an employee and the employer. It provides all the details the employer might need to accept or reject a loan. In addition, if the request gets accepted, it sets the basis of the loan processing. The employer may even reject the request as per his discretion or the company policies. However, if the loan request gets accepted, the employee receives the funding he wants and can use it for the intended purpose. After that, the employee has to repay the loan according to the repayment schedule, as provided by the employer.

The renovation cannot be delayed any further, as the house is now in poor condition to the extent that the contractor has told us that if immediate renovation would not be conducted, the house might even fall. The Loan Application Process

  • Before the loan contract , the borrower would send a loan application cover letter to the prospective lender to express his or her intent to ask for a loan.
  • Afterward, when the lender has decided to consider the application for a loan made by the borrower, the borrower, and the lender would convene to negotiate the terms of the loan.

Today, President Biden announced the approval of $1.2 billion in student debt cancellation for almost 153,000 borrowers currently enrolled in the Saving on a Valuable Education (SAVE) repayment plan. The Biden-Harris Administration has now approved nearly $138 billion in student debt cancellation for almost 3.9 million borrowers through more than two dozen executive actions. The borrowers receiving relief are the first to benefit from a SAVE plan policy that provides debt forgiveness to borrowers who have been in repayment after as little as 10 years and took out $12,000 or less in student loans. Originally planned for July, the Biden-Harris Administration implemented this provision of SAVE and is providing relief to borrowers nearly six months ahead of schedule.

From Day One of his Administration, President Biden vowed to fix the student loan system and make sure higher education is a pathway to the middle class – not a barrier to opportunity. Already, the President has cancelled more student debt than any President in history – delivering lifechanging relief to students and families – and has created the most affordable student loan repayment plan ever: the SAVE plan. While Republicans in Congress and their allies try to block President Biden every step of the way, the Biden-Harris Administration continues to cancel student debt for millions of borrowers, and is leaving no stone unturned in the fight to give more borrowers breathing room on their student loans.

Thanks to the Biden-Harris Administration’s SAVE plan, starting today, the Administration will be cancelling debt for borrowers who are enrolled in the SAVE plan, have been in repayment for at least 10 years and took out $12,000 or less in loans for college. For every additional $1,000 a borrower initially borrowed, they will receive relief after an additional year of payments. For example, a borrower enrolled in SAVE who took out $14,000 or less in federal loans to earn an associate’s degree in biotechnology would receive full debt relief starting this week if they have been in repayment for 12 years. The U.S. Department of Education (Department) identified nearly 153,000 borrowers who are enrolled in SAVE plan who will have their debt cancelled starting this week, and those borrowers will receive an email today from President Biden informing them of their imminent relief. Next week, the Department of Education will also be reaching out directly to borrowers who are eligible for early relief but not currently enrolled in the SAVE Plan to encourage them to enroll as soon as possible. This shortened time to forgiveness will particularly help community college and other borrowers with smaller loans and put many on track to being free of student debt faster than ever before. Under the Biden-Harris Administration’s SAVE plan, 85 percent of future community college borrowers will be debt free within 10 years. The Department will continue to regularly identify and discharge other borrowers eligible for relief under this provision on SAVE. Over four million borrowers have a $0 monthly payment under the SAVE Plan Last year, President Biden launched the SAVE plan – the most affordable repayment plan ever. Under the SAVE plan, monthly payments are based on a borrower’s income and family size, not their loan balance. The SAVE plan ensures that if borrowers are making their monthly payments, their balances cannot grow because of unpaid interest. And, starting in July, undergraduate loan payments will be cut in half, capping a borrower’s loan payment at 5% of their discretionary income. Already, 7.5 million borrowers are enrolled in the SAVE Plan, and 4.3 million borrowers have a $0 monthly payment.  

Today, the White House Council of Economic Advisers released an issue brief highlighting how low and middle-income borrowers enrolled in SAVE could see significant saving in terms of interest saved over time and principal forgiven as a result of SAVE’s early forgiveness provisions.

  • Fixing the Public Service Loan Forgiveness program so that borrowers who go into public service get the debt relief they’re entitled to under the law. Before President Biden took office, only 7,000 people ever received debt relief through PSLF. After fixing the program, the Biden-Harris Administration has now cancelled student loan debt for nearly 800,000 public service workers.
  • Cancelling student loan debt for more than 930,000 borrowers who have been in repayment for over 20 years but never got the relief they earned because of administrative failures with Income-Driven Repayment Plans.
  • Pursuing an alternative path to deliver student debt relief to as many borrowers as possible in the wake of the Supreme Court’s decision striking down the Administration’s original debt relief plan. Last week, the Department of Education released proposed regulatory text to cancel student debt for borrowers who are experiencing hardship paying back their student loans, and late last year released proposals to cancel student debt for borrowers who: owe more than they borrowed, first entered repayment 20 or 25 years ago, attended low quality programs, and who would be eligible for loan forgiveness through income-driven repayment programs like SAVE but have not applied.
  • Holding colleges accountable for leaving students with unaffordable debts.

President Biden on Wednesday began emailing more than 150,000 student loan borrowers enrolled in his signature repayment plan that their debts — $1.2 billion in total — have been canceled, the latest effort by the administration to tout its success in providing debt relief as the campaign season heats up.

The president’s debt relief policies have been met with a mix of praise and frustration. Activists have applauded his targeted approach; the administration has forgiven about $138 billion in student loans for 3.9 million people, largely using existing relief programs. But they also continue to implore Biden to do more, despite the crushing defeat of a more sweeping loan forgiveness plan before the Supreme Court. Meanwhile, conservatives remain ardent critics of debt policies they say come at the expense of other taxpayers, many of whom never attended college.

The latest debt relief targets people enrolled in the Saving on a Valuable Education (Save) plan, and makes good on the administration’s promise to accelerate forgiveness for people who borrowed lower amounts of money to attend college. Rather than wait 20 to 25 years for relief through other income-driven repayment plans, enrollees in the Save plan who borrowed less than $12,000 can have their debt wiped clean after 10 years of payments. The Education Department had originally planned to begin forgiveness in July but started identifying eligible borrowers this month.

“From day one of my Administration, I vowed to fix student loan programs so higher education can be a ticket to the middle class — not a barrier to opportunity,” Biden wrote in the email. He also described other efforts taken by the administration to help students and borrowers, including expanding Pell grants, and promised to “never stop fighting for hard-working American families.”

The email effort recalls then-President Donald Trump’s 2020 push to send letters to taxpayers alerting them to stimulus checks his administration processed by the millions during the early months of the coronavirus pandemic.

Ahead of his own reelection bid, Biden has privately expressed frustration that his administration has not received enough credit from voters for its actions to help consumers and bolster the economy. Some of Biden’s allies, including Rep. James E. Clyburn (D-S.C.), have warned that the president could face electoral problems if he does not convince voters that he has kept his promises on a wide range of issues. Clyburn has specifically raised the president’s student loan relief pledge as one area where a significant gap exists between what Biden has accomplished and what voters believe he has done.

Biden also has been wary of the blowback student debt relief efforts have received from people who did not go to college. During a speech at a library in Culver City, Calif., on Wednesday, he made the case that his loan forgiveness “helps everyone” by strengthening the economy.

“When people have student debt relief, they buy homes, they start businesses, they contribute, they engage in the community in ways they weren’t able to before,” he said. “And that actually grows the economy.”

Under Biden, the Education Department has focused on lowering the debt burden of those who borrowed money for college, by expanding or easing rules for existing relief programs. It is also crafting another plan to offer relief to more borrowers after a loan forgiveness plan that Biden introduced in 2022 was struck down by the Supreme Court last year.

After the court’s decision, the Biden administration finalized the Save plan.

So far, about 7.5 million people of the more than 40 million with federal student loan debt are enrolled in Save. The plan pegs monthly student loan payments to earnings and family size, just like other income-driven plans. One big difference is that the new plan increases the amount of income protected from the calculation of debt payments from 150 percent to 225 percent of the federal poverty line.

That means a single borrower earning less than $15 an hour will be spared from payments. Those earning more would save an estimated $1,000 a year, according to the department. Even if borrowers’ monthly payment is $0, they will still get credit toward forgiveness. According to the Education Department, 4.3 million people enrolled in the plan have a $0 monthly payment.

What to know about Biden’s student loan income-driven repayment plan

The department began introducing some features of the Save plan last year. This summer, the federal agency will start capping payments for undergraduate loans at 5 percent — down from 10 percent — of income above the 225 percent federal poverty threshold. Borrowers with debt from undergraduate and graduate studies will pay a weighted average between 5 and 10 percent toward their debts.

The faster path to cancellation could have a meaningful impact on people who attended community college, dropped out of college or are at risk of defaulting. The Education Department estimates that 85 percent of future community college borrowers, who typically take out small loans, could be debt-free within 10 years under the Save plan.

“Every borrower that the Biden administration delivers full student debt relief for is a win,” Braxton Brewington, spokesperson for the Debt Collective, said in a statement. “Despite the Supreme Court’s ruling last year, Biden continues to prove he has tools at his disposal to enact relief for borrowers crushed by student debt — but there’s no reason to stop here. Nearly four million Americans have received relief, but forty million more are desperately waiting.”

To create Save, the administration updated an existing loan repayment program that was long authorized by Congress through the Higher Education Act, giving it firmer legal ground than the debt relief program struck down by the Supreme Court.

But conservative groups and Republican lawmakers question the president’s authority to wipe away billions of dollars in money owed to the federal government.

“His drip, drip, drip student loan forgiveness workarounds are lawless and make a mockery of the separation of powers,” Elaine Parker, president of the Job Creators Network Foundation, said in a statement. The small-business advocacy group filed one of the suits against Biden’s 2022 plan to forgive up to $20,000 in loans for some borrowers.

Parker said the administration’s actions “set a dangerous precedent that consolidates more power in the executive branch. College students themselves are the biggest losers of Biden’s college debt forgiveness workarounds because colleges are given a blank check to continue overcharging and saddling them with debt.”

Borrowers who receive emails notifying them that they will receive debt relief through the Save program do not need to take any further action to receive loan forgiveness. Student loan servicers, the intermediaries that collect payments on the federal government’s behalf, will begin discharging the debt in coming days, according to the department. Next week, the agency plans to directly contact borrowers who would be eligible for early cancellation under the Save plan but are not enrolled.

After his remarks, Biden gave a succinct answer when asked whether he was worried that his latest debt relief program would be struck down in court.

“I don’t have a worry at all,” he said.
