17 Giving Academic Presentations: Talks, Power Points, and Posters

As mentioned earlier, students enrolled in college courses, especially in the U.S., are often required to demonstrate their knowledge and perspectives on a given topic in the form of oral presentations. Before we look at the different formats these presentations may occur in, let’s first look at the tasks of preparing and giving presentations through the lens of audience, purpose, and parameters, or APP.

Audience, Purpose, and Parameters (APP)

Let’s start with the first criterion–the audience.

  • When you present information orally, whether informally (e.g. while participating in a discussion in the class) or formally (e.g. a graded individual or group presentation on a topic assigned by the professor), who is the target audience? Generally, students present ideas and information to the members of the classroom community, which include both the professor and other students. In this case, you would again need to decide about the language(s) and the appropriate tone or register you would need to use. In other words, who your audience is informs what you say and what you write in a college course. Therefore, it is very helpful to identify clearly who the target audience is for any academic assignment, especially presentations.

Now, let’s look at the second criterion–the purpose.

  • The purpose of a presentation, individual or group, may vary. Some presentations are informative, others are descriptive, and some tend to be persuasive. Some presentations combine all of these elements. The patterns that are used in composing an essay are used in oral presentations as well. To ensure that the presentation matches the assignment, read the assignment guidelines carefully to gauge what the purpose of the presentation is and then ensure that the information is appropriately crafted.

The final criterion of a good presentation is the parameters.

  • As you read the guidelines of the presentation, make sure to note what the parameters are: what format are you required to use (speech, Power Point, poster, and so forth); what is the length allowed (how many minutes, for instance); what language(s) and register are you expected to use (e.g. academic English); and so on. In some presentations, there may be time set aside for questions and answers (Q&A) or discussion. Make sure to prepare for that as well, if required.

Common Presentation Formats

The three most common ways in which students formally present information in college courses are as talks/speeches, through Power Points, and with posters.

Talks and Speeches

Many students find the idea of giving a speech or a talk intimidating. That is understandable, but know that all good orators use certain skills and strategies to give interesting and relevant oral presentations. These skills and strategies may vary from one country/culture/context to another. As you adapt your presentation styles to the U.S. college context, think about how a ‘good talk’ is perceived as here.

Power Points

Students have to often given presentations using such tools as Power Point in college courses. Montgomery College’s Digital Learning Centers offer a helpful workshop titled ‘Power Point Basics’ multiple times in a year. [1]

Another format that is often used to give a presentation is with posters. In academic conferences, for instance, special times and spaces are regularly set aside for poster presentations. In college courses, students may have to work individually or in groups to create and present posters. Some workplaces, as well, may require these skills.  A well-organized poster presentation showcases the presenter’s deep understanding of the topic. Convincing facts are provided, and there are many details and explanations — both in the poster and in the presentation itself. A good poster also contains the right balance of graphics and text, and the presenter remains mindful of the audience, purpose, and parameters provided by the instructor.

  • There are many other similar or more interactive formats available for giving presentations, such as Google Slides and Prezi. Explore these formats in your free time and become more familiar with them. They may come in handy in your future academic and professional presentations. ↵

Academic presentations are an integral part of university study and assessment. Academic presentations may be presented individually or as a group activity but both require the key skills of planning and structuring key information. The key difference between an academic presentation and a general presentation is that it is usually quite formal and includes academic research to evidence the ideas presented. The presentation will include references to credible sources and demonstrate clearly your knowledge and familiarity of the topic.

Giving a good academic presentation

  • Think about the aim of your presentation and what you want to achieve.
  • Concentrate on your audience: who   they are and  what   they (want to) know.
  • Choose the topic that interests you: involvement and motivation are key to confidence.
  • Give your presentation a  clear   and  logical   organization so that everyone can follow.
  • Present information  visually : this adds interest to your talk and makes it easier to follow.
  • Practise giving your presentation until you are familiar with the key points; this way you may discover any potential problems and check the timing. Besides, practice will also make you feel more confident.

Basic outline / structure

  • Introduction: introduce the topic, some basic background, thesis (your stance or argument).
  • Outline: provide basic bullet points on the key parts of the presentation.
  • Main body: divide the main body into sections.
  • Evaluation: always include evaluation. This can be a separate section or part of the main body.
  • Conclusion: summarise key points, restate the thesis and make a recommendation / suggestion / prediction.
  • Reference list: create one slide with all your sources.
  • Questions : be prepared to answer questions.
  • Cope with nerves: breathe deeply; it calms you down and stops you from talking too quickly.
  • Control your voice: speak clearly and try to sound interesting by changing intonation and rhythm.
  • Watch your body language: try to give the impression that you are relaxed and confident.
  • Maintain eye contact with your audience: it keeps them interested in what you are saying. For this reason, you should not read.
  • Provide visual information, but do not give too many facts at a time. Give your audience enough time to take them in.
  • Keep attention by asking rhetorical questions.

How to prepare and deliver an effective oral presentation

The success of an oral presentation lies in the speaker’s ability to transmit information to the audience. Lucia Hartigan and colleagues describe what they have learnt about delivering an effective scientific oral presentation from their own experiences, and their mistakes

The objective of an oral presentation is to portray large amounts of often complex information in a clear, bite sized fashion. Although some of the success lies in the content, the rest lies in the speaker’s skills in transmitting the information to the audience. 1

Preparation

It is important to be as well prepared as possible. Look at the venue in person, and find out the time allowed for your presentation and for questions, and the size of the audience and their backgrounds, which will allow the presentation to be pitched at the appropriate level.

See what the ambience and temperature are like and check that the format of your presentation is compatible with the available computer. This is particularly important when embedding videos. Before you begin, look at the video on stand-by and make sure the lights are dimmed and the speakers are functioning.

For visual aids, Microsoft PowerPoint or Apple Mac Keynote programmes are usual, although Prezi is increasing in popularity. Save the presentation on a USB stick, with email or cloud storage backup to avoid last minute disasters.

When preparing the presentation, start with an opening slide containing the title of the study, your name, and the date. Begin by addressing and thanking the audience and the organisation that has invited you to speak. Typically, the format includes background, study aims, methodology, results, strengths and weaknesses of the study, and conclusions.

If the study takes a lecturing format, consider including “any questions?” on a slide before you conclude, which will allow the audience to remember the take home messages. Ideally, the audience should remember three of the main points from the presentation. 2

Have a maximum of four short points per slide. If you can display something as a diagram, video, or a graph, use this instead of text and talk around it.

Animation is available in both Microsoft PowerPoint and the Apple Mac Keynote programme, and its use in presentations has been demonstrated to assist in the retention and recall of facts. 3 Do not overuse it, though, as it could make you appear unprofessional. If you show a video or diagram don’t just sit back—use a laser pointer to explain what is happening.

Rehearse your presentation in front of at least one person. Request feedback and amend accordingly. If possible, practise in the venue itself so things will not be unfamiliar on the day. If you appear comfortable, the audience will feel comfortable. Ask colleagues and seniors what questions they would ask and prepare responses to these questions.

It is important to dress appropriately, stand up straight, and project your voice towards the back of the room. Practise using a microphone, or any other presentation aids, in advance. If you don’t have your own presenting style, think of the style of inspirational scientific speakers you have seen and imitate it.

Try to present slides at the rate of around one slide a minute. If you talk too much, you will lose your audience’s attention. The slides or videos should be an adjunct to your presentation, so do not hide behind them, and be proud of the work you are presenting. You should avoid reading the wording on the slides, but instead talk around the content on them.

Maintain eye contact with the audience and remember to smile and pause after each comment, giving your nerves time to settle. Speak slowly and concisely, highlighting key points.

Do not assume that the audience is completely familiar with the topic you are passionate about, but don’t patronise them either. Use every presentation as an opportunity to teach, even your seniors. The information you are presenting may be new to them, but it is always important to know your audience’s background. You can then ensure you do not patronise world experts.

To maintain the audience’s attention, vary the tone and inflection of your voice. If appropriate, use humour, though you should run any comments or jokes past others beforehand and make sure they are culturally appropriate. Check every now and again that the audience is following and offer them the opportunity to ask questions.

Finishing up is the most important part, as this is when you send your take home message with the audience. Slow down, even though time is important at this stage. Conclude with the three key points from the study and leave the slide up for a further few seconds. Do not ramble on. Give the audience a chance to digest the presentation. Conclude by acknowledging those who assisted you in the study, and thank the audience and organisation. If you are presenting in North America, it is usual practice to conclude with an image of the team. If you wish to show references, insert a text box on the appropriate slide with the primary author, year, and paper, although this is not always required.

Answering questions can often feel like the most daunting part, but don’t look upon this as negative. Assume that the audience has listened and is interested in your research. Listen carefully, and if you are unsure about what someone is saying, ask for the question to be rephrased. Thank the audience member for asking the question and keep responses brief and concise. If you are unsure of the answer you can say that the questioner has raised an interesting point that you will have to investigate further. Have someone in the audience who will write down the questions for you, and remember that this is effectively free peer review.

Be proud of your achievements and try to do justice to the work that you and the rest of your group have done. You deserve to be up on that stage, so show off what you have achieved.

How To: Give an Academic Presentation

As referenced in the topic on how to write a paper, the last phase of the usual process is actually presenting the work! But since the presentation is a required component for this class, I’m describing it now.

Why a presentation?

For conference papers, you submit the paper, have it accepted (hopefully), then show up to present it. But the paper is more comprehensive than the presentation. Why, then, have the presentation?

The answer to this question is actually very important to how you structure your presentation. The most common mistake I see people make in real academic presenting is that their presentation is basically just a section-by-section summary of the paper itself. That is not what a presentation of the paper needs to be.

To understand why we have a presentation, both in academia and in this class, it’s important to consider what the goal of the presentation is.

What is the goal of a presentation?

There are actually three potential goals of an academic presentation. Which goal you select for yourself will dictate how you structure your presentation.

The goals I generally notice are:

  • Make the listener want to read the paper. A presentation is typically ~10 minutes (conferences can be longer, but 10 minutes is usually plenty), and the engagement from the audience is more passive: they just sit back and listen. Reading the paper probably takes closer to ~30 minutes, and it’s more active, deliberate engagement. In the 10 minutes in which you have a captive audience, you’re not going to cover everything that the paper covers. Instead, focus on covering enough so that the listener wants to go and read the full paper. Think of the presentation like a trailer: it advertises the full paper. Focus on the story and the results, and if they want to know more about the related work and methodology, they can go read about them.
  • Help the listener decide if they want to read the paper. This is the slightly more honest version of the above. Instead of treating the presentation like a trailer, treat it like an abstract. There are people in the audience who won’t be interested in your work simply because it doesn’t align clearly with theirs. That’s fine. The focus of your presentation is on giving them the information they need to decide if they want to read more. Here, you’d focus more on the related work and the results: related work to help them connect their interests to yours (if such connections are present), and results to help them know if they care how you achieved those results.
  • Seed the conversation. The other major difference with the presentation is that you have everyone in the room with you. They’re going to be there when you’re done. You’re going to chat over coffee and lunch. Your goal with your presentation is to give y’all something to talk about after the talk is done. If this is your focus, then you’ll emphasize more the kinds of feedback you want: you’ll ask direct questions about what you should do next, or what might explain the results that you have. Under this goal, you know that you already got the paper accepted: you don’t need to defend it anymore. Instead, here, you’re using the time to make your future work even better.

You’re welcome to choose any of these goals for how you orient your presentation in this class, of course. The main thing is: consider your listener. You’re not just checking off boxes on a rubric (we don’t have a rubric for assessing your presentation). Your goal is for the presentation to be interesting to the viewer.

What are some common mistakes?

So, what are the common mistakes people make? Here are five I’ve seen most often:

  • Restate the paper. I referenced this above, but it’s worth repeating. You have only 10 minutes to talk about your work. Focus on your work. You don’t need to spend a lot of time on the related work section, or even the methodology unless it’s particularly novel. Those are the pieces of your work that get the paper accepted, but they’re not particularly crucial for the presentation itself.
  • Stick to the original content exclusively. This one doesn’t really apply to this class’s papers, but it’s worth mentioning anyway. In academic publishing, there’s typically a long (5-10 month) lag time between when you submit a paper and when you present it. You do a lot of work in that time. I’ve seen a lot of presentations where the presenter will mention off-handedly, “Oh yes, since we submitted the paper, these things have changed.” If they’ve changed, include that in your presentation. Some of the best presentations I’ve seen have said, “The paper covers the Fall 2016 data, but I’m going to talk about the Spring 2017 data that wasn’t available at the time.” That keeps the presentation current.
  • Under-rehearse. Few things are more painful than watching someone get up and present who isn’t familiar with what they’re presenting. Make an outline, make a loose script, run through it a couple times. You have even less excuse for this in this class because you get to record it: if your first version is under-rehearsed, then make that your rehearsal and record it again.
  • Over-rehearse. This one is riskier in this class. Few things are more boring than listening to someone just read a script. If you’re just reading a script, you may as well just be sending the paper and putting it into a text-to-speech machine. The presentation ought to be a little more spontaneous and natural. The viewer wants to hear your excitement, your confusion, your frustration. This sort of context is what makes a presentation more dynamic than a paper: we see the human behind the work, not just the work. That’s a liability in the peer review process, but you’ve already passed that: now it’s an asset.
  • Interpret questions/critiques as challenges. Again, less relevant in this class, but highly relevant in real presentations. One thing we see a lot, especially among first-time presenters, is a tendency to view questions as challenges. The natural response tends to be to defend the work. Most questions, however, are just that: questions. “Why dd you use methodology A instead of B?”, for example, can be interpreted as suggesting, “B is better”, but it more likely means, “There are probably interesting details of this work that led you to choose A, and I’m curious what they are.” Your audience knows your work is never done, and it’s totally fine to say “I don’t know” or “That’s next!”

For this Class

A lot of those details are for real academic publishing, which ideally we’re preparing you for. However, this presentation is also first and foremost a class assignment. So, more specifically, what function does it serve in  this class?

The final video is a chance to present your work in a more accessible, easily-consumable way. Papers can be hard to read, especially when they include a lot of detail (as papers in this class likely will). Presentations lends themselves to the more informal dialog and presentation style. So, in your presentations, you’re looking at about 5-10 minutes (for your mentor’s sanity, keep it under 10 minutes) to relatively quickly cover the motivation behind your work, what you decided to do, and how it turned out. The goal of this is to give an easier anchor for your classmates to be able to browse and consume what went on in this class this semester. The main focus of this is community-building.

The presentation should be organized, but it doesn’t have to be super-formal. You’re welcome to include a video demo, for example, and you don’t have to worry about editing in super-clean transitions — it’s fine, for example, to start off in a PowerPoint presentation and switch to a demo without editing out closing PowerPoint. Imagine you’re standing at a podium: we’d expect you to close PowerPoint and switch over to a browser, so that can be in your video as well.

Most importantly, the goals stated above still apply to this class. Maybe your goal is to get the viewer to read the paper. Maybe it’s just to give them the information necessary to decide if they should read the paper. Maybe it’s to spark good discussion and reviews, and to get you feedback for future work in this area. Selecting a goal will make your presentation far more engaging.

The formal presentation of information is divided into two broad categories: Presentation Skills and Personal Presentation .

These two aspects are interwoven and can be described as the preparation, presentation and practice of verbal and non-verbal communication. 

This article describes what a presentation is and defines some of the key terms associated with presentation skills.

Many people feel terrified when asked to make their first public talk.  Some of these initial fears can be reduced by good preparation that also lays the groundwork for making an effective presentation.

A Presentation Is...

A presentation is a means of communication that can be adapted to various speaking situations, such as talking to a group, addressing a meeting or briefing a team.

A presentation can also be used as a broad term that encompasses other ‘speaking engagements’ such as making a speech at a wedding, or getting a point across in a video conference.

To be effective, step-by-step preparation and the method and means of presenting the information should be carefully considered. 

A presentation requires you to get a message across to the listeners and will often contain a ' persuasive ' element. It may, for example, be a talk about the positive work of your organisation, what you could offer an employer, or why you should receive additional funding for a project.

The Key Elements of a Presentation

Making a presentation is a way of communicating your thoughts and ideas to an audience and many of our articles on communication are also relevant here, see: What is Communication? for more.

Consider the following key components of a presentation:

Ask yourself the following questions to develop a full understanding of the context of the presentation.

When and where will you deliver your presentation?

There is a world of difference between a small room with natural light and an informal setting, and a huge lecture room, lit with stage lights. The two require quite different presentations, and different techniques.

Will it be in a setting you are familiar with, or somewhere new?

If somewhere new, it would be worth trying to visit it in advance, or at least arriving early, to familiarise yourself with the room.

Will the presentation be within a formal or less formal setting?

A work setting will, more or less by definition, be more formal, but there are also various degrees of formality within that.

Will the presentation be to a small group or a large crowd?

Are you already familiar with the audience?

With a new audience, you will have to build rapport quickly and effectively, to get them on your side.

What equipment and technology will be available to you, and what will you be expected to use?

In particular, you will need to ask about microphones and whether you will be expected to stand in one place, or move around.

What is the audience expecting to learn from you and your presentation?

Check how you will be ‘billed’ to give you clues as to what information needs to be included in your presentation.

The role of the presenter is to communicate with the audience and control the presentation.

Remember, though, that this may also include handing over the control to your audience, especially if you want some kind of interaction.

The audience receives the presenter’s message(s).

However, this reception will be filtered through and affected by such things as the listener’s own experience, knowledge and personal sense of values.

The message or messages are delivered by the presenter to the audience.

The message is delivered not just by the spoken word ( verbal communication ) but can be augmented by techniques such as voice projection, body language, gestures, eye contact ( non-verbal communication ), and visual aids.

The message will also be affected by the audience’s expectations. For example, if you have been billed as speaking on one particular topic, and you choose to speak on another, the audience is unlikely to take your message on board even if you present very well . They will judge your presentation a failure, because you have not met their expectations.

The audience’s reaction and therefore the success of the presentation will largely depend upon whether you, as presenter, effectively communicated your message, and whether it met their expectations.

As a presenter, you don’t control the audience’s expectations. What you can do is find out what they have been told about you by the conference organisers, and what they are expecting to hear. Only if you know that can you be confident of delivering something that will meet expectations.

How will the presentation be delivered?

Presentations are usually delivered direct to an audience.  However, there may be occasions where they are delivered from a distance over the Internet using video conferencing systems, such as Skype.

It is also important to remember that if your talk is recorded and posted on the internet, then people may be able to access it for several years. This will mean that your contemporaneous references should be kept to a minimum.

Impediments

Many factors can influence the effectiveness of how your message is communicated to the audience.

For example background noise or other distractions, an overly warm or cool room, or the time of day and state of audience alertness can all influence your audience’s level of concentration.

As presenter, you have to be prepared to cope with any such problems and try to keep your audience focussed on your message.

Most people will have to present in front of an audience at some point during their life, and doing so can be a nervous and challenging experience. When having to simultaneously consider what you say, how you say it and who you’re saying it to, it’s no wonder that people appear anxious on stage or forget their words from time to time. Focusing particularly on academic contexts, this short, three-chapter reader aims to introduce the basics of presentations (Chapter 1), the key elements of a presentation (Chapter 2) and the top ten tips for success (Chapter 3). What is a presentation?

Most commonly, a presentation  is when somebody stands in front of an audience and attempts to verbally and visually inform that audience about a particular topic. Such a presentation could be conducted in order to sell something to that audience, to convince them of something, or to educate them in some way. While most presentations are done by a single person, with a little extra practice, pair and group presentations may also be successfully delivered.

What is a professional presentation?

In the business world, there are a number of reasons that employees may be asked by their employers to create professional presentations . Such presentations are therefore quite varied and may be required to complete job interviews , to deliver sales pitches to potential clients or to present project proposals to senior management. In such presentations, the presenter will usually take their role quite seriously, and may be rewarded with financial incentives or with the opportunity to impress their bosses.

How do academic presentations differ?

Like professional presentations , academic performances are also quite varied. Students might be asked to create a successful presentation in order to be accepted onto a course for example, and tutors might have to do the same to be hired for a job, to receive a promotion or to represent their academic institution at professional conferences. Most common, however, is that presentations are assigned to students as assessed pieces of work in which the student must research, prepare, memorise and deliver on a topic, receiving a grade on aspects such as body language , presentation language and the use of visual aids .

While most academic presentations are a formally assessed aspect of a course, sometimes this type of assignment may also be used somewhat informally by the tutor as a way of flipping the classroom. In a flipped classroom , students are encouraged to present on an aspect of that day’s seminar , taking the role of the teacher so as to guarantee better engagement with the class materials. In such informal presentations, it is uncommon for the tutor to assess the students at all but to merely encourage them to participate and practise presentation skills .

Which skills create successful presentations?

As will be explained in more detail in Chapter 2, there are a number of key skills  that presenters should master if they wish to present confidently and clearly. Whether it’s paying attention to the development of research skills , the careful use of body language and gesture or the inclusion of visual aids , the key elements of a presentation normally fall into five categories: content, display, organisation, language and delivery .

24 Oral Presentations

Many academic courses require students to present information to their peers and teachers in a classroom setting. This is usually in the form of a short talk, often, but not always, accompanied by visual aids such as a power point. Students often become nervous at the idea of speaking in front of a group.

This chapter is divided under five headings to establish a quick reference guide for oral presentations.

The Purpose of an Oral Presentation

Generally, oral presentation is public speaking, either individually or as a group, the aim of which is to provide information, entertain, persuade the audience, or educate. In an academic setting, oral presentations are often assessable tasks with a marking criteria. Therefore, students are being evaluated on their capacity to speak and deliver relevant information within a set timeframe. An oral presentation differs from a speech in that it usually has visual aids and may involve audience interaction; ideas are both shown and explained . A speech, on the other hand, is a formal verbal discourse addressing an audience, without visual aids and audience participation.

Types of Oral Presentations

Individual presentation.

  • Breathe and remember that everyone gets nervous when speaking in public. You are in control. You’ve got this!
  • Know your content. The number one way to have a smooth presentation is to know what you want to say and how you want to say it. Write it down and rehearse it until you feel relaxed and confident and do not have to rely heavily on notes while speaking.
  • Eliminate ‘umms’ and ‘ahhs’ from your oral presentation vocabulary. Speak slowly and clearly and pause when you need to. It is not a contest to see who can race through their presentation the fastest or fit the most content within the time limit. The average person speaks at a rate of 125 words per minute. Therefore, if you are required to speak for 10 minutes, you will need to write and practice 1250 words for speaking. Ensure you time yourself and get it right.
  • Ensure you meet the requirements of the marking criteria, including non-verbal communication skills. Make good eye contact with the audience; watch your posture; don’t fidget.
  • Know the language requirements. Check if you are permitted to use a more casual, conversational tone and first-person pronouns, or do you need to keep a more formal, academic tone?

Group Presentation

  • All of the above applies, however you are working as part of a group. So how should you approach group work?
  • Firstly, if you are not assigned to a group by your lecturer/tutor, choose people based on their availability and accessibility. If you cannot meet face-to-face you may schedule online meetings.
  • Get to know each other. It’s easier to work with friends than strangers.
  • Also consider everyone’s strengths and weaknesses. This will involve a discussion that will often lead to task or role allocations within the group, however, everyone should be carrying an equal level of the workload.
  • Some group members may be more focused on getting the script written, with a different section for each team member to say. Others may be more experienced with the presentation software and skilled in editing and refining power point slides so they are appropriate for the presentation. Use one visual aid (one set of power point slides) for the whole group. Take turns presenting information and ideas.
  • Be patient and tolerant with each other’s learning style and personality. Do not judge people in your group based on their personal appearance, sexual orientation, gender, age, or cultural background.
  • Rehearse as a group, more than once. Keep rehearsing until you have seamless transitions between speakers. Ensure you thank the previous speaker and introduce the one following you. If you are rehearsing online, but have to present in-person, try to schedule some face-to-face time that will allow you to physically practice using the technology and classroom space of the campus.

Writing Your Presentation

Approach the oral presentation task just as you would any other assignment. Review the available topics, do some background reading and research to ensure you can talk about the topic for the appropriate length of time and in an informed manner. Break the question down as demonstrated in Chapter 17 Breaking Down an Assignment. Where it differs from writing an essay is that the information in the written speech must align with the visual aid. Therefore, with each idea, concept or new information you write, think about how this might be visually displayed through minimal text and the occasional use of images. Proceed to write your ideas in full, but consider that not all information will end up on a power point slide. After all, it is you who are doing the presenting , not the power point. Your presentation skills are being evaluated; this may include a small percentage for the actual visual aid. This is also why it is important that EVERYONE has a turn at speaking during the presentation, as each person receives their own individual grade.

Using Visual Aids

A whole chapter could be written about the visual aids alone, therefore I will simply refer to the key points as noted by my.UQ

To keep your audience engaged and help them to remember what you have to say, you may want to use visual aids, such as slides.

When designing slides for your presentation, make sure:

  • any text is brief, grammatically correct and easy to read. Use dot points and space between lines, plus large font size (18-20 point).
  • Resist the temptation to use dark slides with a light-coloured font; it is hard on the eyes
  • if images and graphs are used to support your main points, they should be non-intrusive on the written work

Images and Graphs

  • Your audience will respond better to slides that deliver information quickly – images and graphs are a good way to do this. However, they are not always appropriate or necessary.

When choosing images, it’s important to find images that:

  • support your presentation and aren’t just decorative
  • are high quality, however, using large HD picture files can make the power point file too large overall for submission via Turnitin
  • you have permission to use (Creative Commons license, royalty-free, own images, or purchased)

This is a general guide. The specific requirements for your course may be different. Make sure you read through any assignment requirements carefully and ask your lecturer or tutor if you’re unsure how to meet them.

Using Visual Aids Effectively

Too often, students make an impressive power point though do not understand how to use it effectively to enhance their presentation.

  • Rehearse with the power point.
  • Keep the slides synchronized with your presentation; change them at the appropriate time.
  • Refer to the information on the slides. Point out details; comment on images; note facts such as data.
  • Don’t let the power point just be something happening in the background while you speak.
  • Write notes in your script to indicate when to change slides or which slide number the information applies to.
  • Pace yourself so you are not spending a disproportionate amount of time on slides at the beginning of the presentation and racing through them at the end.
  • Practice, practice, practice.

Nonverbal Communication

It is clear by the name that nonverbal communication are the ways that we communicate without speaking. Many people are already aware of this, however here are a few tips that relate specifically to oral presentations.

Being confident and looking confident are two different things. Fake it until you make it.

  • Avoid slouching or leaning – standing up straight instantly gives you an air of confidence.
  • Move! When you’re glued to one spot as a presenter, you’re not perceived as either confident or dynamic. Use the available space effectively, though do not exaggerate your natural movements so you look ridiculous.
  • If you’re someone who “speaks with their hands”, resist the urge to constantly wave them around. They detract from your message. Occasional gestures are fine.
  • Be animated, but don’t fidget. Ask someone to watch you rehearse and identify if you have any nervous, repetitive habits you may be unaware of, for example, constantly touching or ‘finger-combing’ your hair, rubbing your face.
  • Avoid ‘voice fidgets’ also. If you needs to cough or clear your throat, do so once then take a drink of water.
  • Avoid distractions. No phone turned on. Water available but off to one side.
  • Keep your distance. Don’t hover over front-row audience members; this can be intimidating.
  • Have a cheerful demeaner. You do not need to grin like a Cheshire cat throughout the presentation, yet your facial expression should be relaxed and welcoming.
  • Maintain an engaging TONE in your voice. Sometimes it’s not what you’re saying that is putting your audience to sleep, it’s your monotonous tone. Vary your tone and pace.
  • Don’t read your presentation – PRESENT it! Internalize your script so you can speak with confidence and only occasionally refer to your notes if needed.

A presentation that has a strong, clear structure is a presentation that is easy to follow. Without structure, a presentation can be confusing to an audience. How do they know if you are going to cover what they need to know? How can they tell which slides contain the most important points? This page considers some ways that you can organise your slides to give shape to your presentation as a whole.

Basic presentation structure

Every presentation should flow like a good story. It should involve  the audience directly.

  • The  beginning  section is where you hook them. Start with the general picture then explain the specific problem and how by listening to your presentation you can solve it for them.
  • The  middle  section should contain the main detail of your presentation, and can be organised in a number of ways (two good ones are explained below).
  • Finally your  end  section should summarise the presentation and lead the audience to the next step.

Design your slides so that these sections  look distinctive  and any  key points  stand out.

Beginning section

This section is all about drawing the audience in; giving them a reason to want to listen to the main part of your presentation.

You can include any or all of the following:

  • A really well designed title slide that grabs the attention
  • A slide that gives the audience the big picture
  • A slide that shows what you will be focusing on
  • A slide that uses the word 'you' or 'your' in the title to connect with the audience
  • A slide that tells the audience what is to come in your presentation (its structure)

Middle section structure option 1 - key points

Several authors suggest using a structure that involves an introduction followed by a middle section containing key point slides (usually 3).

The ideas is that there is a  hierarchy  of slides so that after each key point you have other slides that explain or add detail to that key point.

Cliff Atkinson (writer of the book  Beyond Bullet Points ) suggested using a table in MSWord (similar to the one in the template that is available to download at the bottom of this page) to help you structure and plan your presentation before you even open PowerPoint. This means you can concentrate on your story before getting distracted by design and content issues. We have copy of the book in our library: Beyond Bullet Points:  Beyond Bullet Points .

Middle section option 2 - sparkline

For her book  Resonate  Nancy Duarte looked in detail at the structure of successful presentations throughout history (even back to Lincoln's Gettysburg Address). She discovered that many have the same structural form which she calls a 'sparkline'.

This structure makes a clear distinction between  what is  (the position before the presentation is seen and acted upon) and  what could be  (the position after the presentation is seen and acted upon). The audience is introduced to the what is  state at the beginning of the presentation and then switched back and forth between  what could be  and  what is  several times before ending in the  what could be  condition, which she calls  Reward:New Bliss .

In terms of academic work the  what is  is the current level of knowledge or previous thinking on a subject and the  what could be  is the new knowledge or new thinking. The  new bliss  is what the audience could do or learn next now that they are aware of the change. 

End section

The end of your presentation is a very powerful part because it contains your final words, the ones that the audience will take away with them. After you have finished your middle section, have at least one slide that summarises your main points  and one slide that leaves the audience with  the most important point  of your presentation - the one you would like them to remember even if they forget everything else.

Include slides that show these in your end section

DO NOT  finish with a slide that says  Any Questions?  or  Thanks for Listening  as this a waste of your final slide and does not need a visual image to help the audience understand your words. This slide could potentially be viewed longer than any other slide (whilst you answer your questions or receive feedback) and so you want to make sure it contains something that is important to both you and the audience.

The blue sections are optional. The NEED and TASK sections are most suited to research presentations.

This is designed for a presentation between 20-30 minutes long. Shorter presentations will have no explanatory points and longer presentations will need more explanatory points.

Five tips to set yourself apart.

Never underestimate the power of great communication. It can help you land the job of your dreams, attract investors to back your idea, or elevate your stature within your organization. But while there are plenty of good speakers in the world, you can set yourself apart out by being the person who can deliver something great over and over. Here are a few tips for business professionals who want to move from being good speakers to great ones: be concise (the fewer words, the better); never use bullet points (photos and images paired together are more memorable); don’t underestimate the power of your voice (raise and lower it for emphasis); give your audience something extra (unexpected moments will grab their attention); rehearse (the best speakers are the best because they practice — a lot).

Key Features of an Academic Poster:

  • Clear and Concise Title : The title should capture the essence of the research while being catchy enough to draw attention.
  • Introduction or Background : This section provides context for the research, including the main research question and the hypothesis.
  • Methodology : Briefly describes the methods used to gather data and conduct the research.
  • Results : Visual representations such as graphs, charts, and tables are often used to display key findings effectively.
  • Discussion or Conclusion : This section interprets the results, discussing their implications, significance, and possible limitations.

Using Images on the Poster

When including images in an academic poster, it's crucial to ensure that they enhance the presentation and communicate the research effectively. Here are key considerations to keep in mind when selecting and using images:

Relevance:  Images should be directly related to the content of the poster. Use visuals that illustrate or clarify the research findings, methods, or concepts being discussed. Irrelevant images can distract from the main message and reduce the overall impact of the poster.

Quality:  Images must be of high resolution to avoid pixelation when printed in large formats. Typically, images should have a resolution of at least 300 dpi (dots per inch) when printed. Low-quality images can make the poster look unprofessional and can undermine the credibility of the research.

Legibility:  Ensure that any text within images (such as labels on graphs, charts, or diagrams) is legible. Font size in images should be large enough to be read from a distance that attendees will typically view the poster from, usually about 3-6 feet away.

Simplicity Images should be simple and not overly complex. Avoid cluttering visuals with too much information. Simplified and clear diagrams, charts, and graphs are more effective in conveying information quickly and effectively.

Color Use:  Use color strategically to enhance comprehension and draw attention to key parts of the image. However, maintain a consistent color scheme that aligns with the overall design of the poster. Be mindful of color blindness and avoid combinations that might make the poster difficult to read for color-blind individuals, such as red-green contrasts.

Labeling:  All images should be appropriately labeled with captions or titles that explain what the viewer is looking at. Captions should be concise but informative enough to allow the viewer to understand the image without needing additional explanation.

Source Attribution:  If images are not original (i.e., taken from another source), it's essential to provide proper attribution to avoid plagiarism and respect copyright laws. Make sure to have the right to use the images or obtain necessary permissions, and cite the source according to academic standards.

Layout and Integration:  Images should be well-integrated into the flow of the poster. Their placement should be logical, supporting the narrative of the research. They should guide the viewer through the research story in a logical and sequential manner.

Alignment and Proportion:  Maintain proper alignment and proportion of images in relation to the text and other content on the poster. Consistent margins, alignment, and thoughtful spacing contribute to a clean and professional appearance.

Ethical Considerations:  For research involving sensitive subjects or identifiable human subjects, ensure that any photographs or sensitive information have the necessary ethical approvals and consent for public display.

These considerations help ensure that images contribute effectively to the communication goals of an academic poster, enhancing the viewer's ability to quickly grasp and retain the essential elements of the research.

Poster Size

The dimensions of an academic poster can vary based on the requirements of the conference or event where it is being displayed. However, there are a few commonly used standard sizes. Here are some typical dimensions:

  • 36 x 48 inches : This size is particularly common in the United States.It provides ample space for text, images, and graphics.
  • 24 x 36 inches : This is a smaller option often used for smaller venues or when the printing capabilities are limited.
  • Conference Guidelines : Always check the specific requirements of the conference or event. Most conferences will specify the dimensions to ensure uniformity and that all posters fit within the provided spaces.

An important function of being an academic faculty member is building an academic reputation, and one of the best ways to build a reputation is by giving scholarly presentations, particularly those that are oral. Earning the reputation of someone who can give an excellent talk often results in being invited to give keynote addresses at regional and national conferences, which increases a faculty member’s visibility along with his or her area of research. Given the importance of oral presentations, it is surprising that few graduate or medical programs provide courses on how to give a talk. This is unfortunate because there are skills that can be learned and strategies that can be used to improve one’s ability to give an interesting, well-received oral presentation. To that end, the aim of this chapter is to provide faculty with best practices and tips on preparing and giving an academic oral presentation.
