Spacing and the Common Application

For applicants using The Common Application , the spacing question is no longer an issue. Applicants used to be able to attach their essay to the application, a feature that required the writer to make all kinds of decisions about formatting. The current version of The Common Application, however, requires you to enter the essay into a text box, and you won't have any spacing options. The website automatically formats your essay with single-spaced paragraphs with an extra space between paragraphs (a format that doesn't conform to any standard style guides). The simplicity of the software suggests that essay format really isn't a concern. You can't even hit the tab character to indent paragraphs. For Common Application users, instead of formatting, the most important focus will be on choosing the right essay option and writing a winning essay .

Spacing for Other Application Essays

If the application provides formatting guidelines, you should obviously follow them. Failure to do so will reflect negatively on you. So if a school says to double space with a 12-point Times Roman font, show that you pay attention to both details and instructions. Students who don't know how to follow directions are not likely to be successful college students.

If the application does not provide style guidelines, the bottom line is that either single- or double-spacing is probably fine. Many college applications don't provide spacing guidelines because the admissions folks truly don't care what spacing you use. You'll even find that many application guidelines state that the essay can be single- or double-spaced. After all, the school has an essay requirement because it has holistic admissions . The admissions officers want to get to know you as a whole person, so it's the content of your essay, not its spacing, that truly matters.

When in Doubt, Use Double-Spacing

That said, the few colleges that do specify a preference typically request double-spacing. Also, if you read the blogs and FAQs written by college admissions officers, you'll usually find a general preference for double-spacing.

There are reasons why double-spacing is the standard for the essays you write in high school and college: double-spacing is easier to read quickly because the lines don't blur together; also, double-spacing gives your reader room to write comments on your personal statement (and yes, some admissions officers do print out essays and put comments on them for later reference).

Of course, most applications are read electronically, but even here, double spacing allow more room for the reader to append side comments to an essay.

So while single-spacing is fine and will be the default for a lot of essays submitted electronically, the recommendation is to double-space when you have a clear option. The admissions folks read hundreds or thousands of essays, and you'll be doing their eyes a favor by double-spacing.

Formatting of Application Essays

Always use a standard, easily readable 12-point font. Never use a script, hand-writing, colored, or other decorative fonts. Serif fonts like Times New Roman and Garamond are good choices, and sans serif fonts such as Ariel and Calibri are also fine.

Overall, the content of your essay, not the spacing, should be the focus of your energy, and the reality is that your spacing choice doesn't matter much if the school hasn't provided guidelines. Your essay, however, is extremely important. Be sure to pay attention to everything from the title to the style , and think twice before selecting any of these bad essay topics . Unless you fail to follow clear style guidelines provided by the school, it would be shocking for the spacing of your essay to play a factor in any admissions decision.

College essays are an entirely new type of writing for high school seniors. For that reason, many students are confused about proper formatting and essay structure. Should you double-space or single-space? Do you need a title? What kind of narrative style is best-suited for your topic?

In this post, we’ll be going over proper college essay format, traditional and unconventional essay structures (plus sample essays!), and which structure might work best for you. 

General College Essay Formatting Guidelines

How you format your essay will depend on whether you’re submitting in a text box, or attaching a document. We’ll go over the different best practices for both, but regardless of how you’re submitting, here are some general formatting tips:

  • There’s no need for a title; it takes up unnecessary space and eats into your word count

  • Indent or double space to separate paragraphs clearly

If you’re submitting in a text box:

  • Avoid italics and bold, since formatting often doesn’t transfer over in text boxes
  • Be careful with essays meant to be a certain shape (like a balloon); text boxes will likely not respect that formatting. Beyond that, this technique can also seem gimmicky, so proceed with caution
  • Make sure that paragraphs are clearly separated, as text boxes can also undo indents and double spacing

If you’re attaching a document:

  • Use a standard font and size like Times New Roman, 12 point
  • Make your lines 1.5-spaced or double-spaced
  • Use 1-inch margins
  • Save as a PDF since it can’t be edited. This also prevents any formatting issues that come with Microsoft Word, since older versions are sometimes incompatible with the newer formatting
  • Number each page with your last name in the header or footer (like “Smith 1”)
  • Pay extra attention to any word limits, as you won’t be cut off automatically, unlike with most text boxes

Conventional College Essay Structures

Now that we’ve gone over the logistical aspects of your essay, let’s talk about how you should structure your writing. There are three traditional college essay structures. They are:

  • In-the-moment narrative
  • Narrative told over an extended period of time
  • Series of anecdotes, or montage

Let’s go over what each one is exactly, and take a look at some real essays using these structures.

1. In-the-moment narrative

This is where you tell the story one moment at a time, sharing the events as they occur. In the moment narrative is a powerful essay format, as your reader experiences the events, your thoughts, and your emotions with you . This structure is ideal for a specific experience involving extensive internal dialogue, emotions, and reflections.

Here’s an example:

The morning of the Model United Nation conference, I walked into Committee feeling confident about my research. We were simulating the Nuremberg Trials – a series of post-World War II proceedings for war crimes – and my portfolio was of the Soviet Judge Major General Iona Nikitchenko. Until that day, the infamous Nazi regime had only been a chapter in my history textbook; however, the conference’s unveiling of each defendant’s crimes brought those horrors to life. The previous night, I had organized my research, proofread my position paper and gone over Judge Nikitchenko’s pertinent statements. I aimed to find the perfect balance between his stance and my own.

As I walked into committee anticipating a battle of wits, my director abruptly called out to me. “I’m afraid we’ve received a late confirmation from another delegate who will be representing Judge Nikitchenko. You, on the other hand, are now the defense attorney, Otto Stahmer.” Everyone around me buzzed around the room in excitement, coordinating with their allies and developing strategies against their enemies, oblivious to the bomb that had just dropped on me. I felt frozen in my tracks, and it seemed that only rage against the careless delegate who had confirmed her presence so late could pull me out of my trance. After having spent a month painstakingly crafting my verdicts and gathering evidence against the Nazis, I now needed to reverse my stance only three hours before the first session.

Gradually, anger gave way to utter panic. My research was fundamental to my performance, and without it, I knew I could add little to the Trials. But confident in my ability, my director optimistically recommended constructing an impromptu defense. Nervously, I began my research anew. Despite feeling hopeless, as I read through the prosecution’s arguments, I uncovered substantial loopholes. I noticed a lack of conclusive evidence against the defendants and certain inconsistencies in testimonies. My discovery energized me, inspiring me to revisit the historical overview in my conference “Background Guide” and to search the web for other relevant articles. Some Nazi prisoners had been treated as “guilty” before their court dates. While I had brushed this information under the carpet while developing my position as a judge, it now became the focus of my defense. I began scratching out a new argument, centered on the premise that the allied countries had violated the fundamental rule that, a defendant was “not guilty” until proven otherwise.

At the end of the three hours, I felt better prepared. The first session began, and with bravado, I raised my placard to speak. Microphone in hand, I turned to face my audience. “Greetings delegates. I, Otto Stahmer would like to…….” I suddenly blanked. Utter dread permeated my body as I tried to recall my thoughts in vain. “Defence Attorney, Stahmer we’ll come back to you,” my Committee Director broke the silence as I tottered back to my seat, flushed with embarrassment. Despite my shame, I was undeterred. I needed to vindicate my director’s faith in me. I pulled out my notes, refocused, and began outlining my arguments in a more clear and direct manner. Thereafter, I spoke articulately, confidently putting forth my points. I was overjoyed when Secretariat members congratulated me on my fine performance.

Going into the conference, I believed that preparation was the key to success. I wouldn’t say I disagree with that statement now, but I believe adaptability is equally important. My ability to problem-solve in the face of an unforeseen challenge proved advantageous in the art of diplomacy. Not only did this experience transform me into a confident and eloquent delegate at that conference, but it also helped me become a more flexible and creative thinker in a variety of other capacities. Now that I know I can adapt under pressure, I look forward to engaging in activities that will push me to be even quicker on my feet.

This essay is an excellent example of in-the-moment narration. The student openly shares their internal state with us — we feel their anger and panic upon the reversal of roles. We empathize with their emotions of “utter dread” and embarrassment when they’re unable to speak. 

For in-the-moment essays, overloading on descriptions is a common mistake students make. This writer provides just the right amount of background and details to help us understand the situation, however, and balances out the actual event with reflection on the significance of this experience. 

One main area of improvement is that the writer sometimes makes explicit statements that could be better illustrated through their thoughts, actions, and feelings. For instance, they say they “spoke articulately” after recovering from their initial inability to speak, and they also claim that adaptability has helped them in other situations. This is not as engaging as actual examples that convey the same meaning. Still, this essay overall is a strong example of in-the-moment narration, and gives us a relatable look into the writer’s life and personality.

2. Narrative told over an extended period of time

In this essay structure, you share a story that takes place across several different experiences. This narrative style is well-suited for any story arc with multiple parts. If you want to highlight your development over time, you might consider this structure. 

When I was younger, I was adamant that no two foods on my plate touch. As a result, I often used a second plate to prevent such an atrocity. In many ways, I learned to separate different things this way from my older brothers, Nate and Rob. Growing up, I idolized both of them. Nate was a performer, and I insisted on arriving early to his shows to secure front row seats, refusing to budge during intermission for fear of missing anything. Rob was a three-sport athlete, and I attended his games religiously, waving worn-out foam cougar paws and cheering until my voice was hoarse. My brothers were my role models. However, while each was talented, neither was interested in the other’s passion. To me, they represented two contrasting ideals of what I could become: artist or athlete. I believed I had to choose.

And for a long time, I chose athlete. I played soccer, basketball, and lacrosse and viewed myself exclusively as an athlete, believing the arts were not for me. I conveniently overlooked that since the age of five, I had been composing stories for my family for Christmas, gifts that were as much for me as them, as I loved writing. So when in tenth grade, I had the option of taking a creative writing class, I was faced with a question: could I be an athlete and a writer? After much debate, I enrolled in the class, feeling both apprehensive and excited. When I arrived on the first day of school, my teacher, Ms. Jenkins, asked us to write down our expectations for the class. After a few minutes, eraser shavings stubbornly sunbathing on my now-smudged paper, I finally wrote, “I do not expect to become a published writer from this class. I just want this to be a place where I can write freely.”

Although the purpose of the class never changed for me, on the third “submission day,” – our time to submit writing to upcoming contests and literary magazines – I faced a predicament. For the first two submission days, I had passed the time editing earlier pieces, eventually (pretty quickly) resorting to screen snake when hopelessness made the words look like hieroglyphics. I must not have been as subtle as I thought, as on the third of these days, Ms. Jenkins approached me. After shifting from excuse to excuse as to why I did not submit my writing, I finally recognized the real reason I had withheld my work: I was scared. I did not want to be different, and I did not want to challenge not only others’ perceptions of me, but also my own. I yielded to Ms. Jenkin’s pleas and sent one of my pieces to an upcoming contest.

By the time the letter came, I had already forgotten about the contest. When the flimsy white envelope arrived in the mail, I was shocked and ecstatic to learn that I had received 2nd place in a nationwide writing competition. The next morning, however, I discovered Ms. Jenkins would make an announcement to the whole school exposing me as a poet. I decided to own this identity and embrace my friends’ jokes and playful digs, and over time, they have learned to accept and respect this part of me. I have since seen more boys at my school identifying themselves as writers or artists.

I no longer see myself as an athlete and a poet independently, but rather I see these two aspects forming a single inseparable identity – me. Despite their apparent differences, these two disciplines are quite similar, as each requires creativity and devotion. I am still a poet when I am lacing up my cleats for soccer practice and still an athlete when I am building metaphors in the back of my mind – and I have realized ice cream and gummy bears taste pretty good together.

The timeline of this essay spans from the writer’s childhood all the way to sophomore year, but we only see key moments along this journey. First, we get context for why the writer thought he had to choose one identity: his older brothers had very distinct interests. Then, we learn about the student’s 10th grade creative writing class, writing contest, and results of the contest. Finally, the essay covers the writers’ embarrassment of his identity as a poet, to gradual acceptance and pride in that identity. 

This essay is a great example of a narrative told over an extended period of time. It’s highly personal and reflective, as the piece shares the writer’s conflicting feelings, and takes care to get to the root of those feelings. Furthermore, the overarching story is that of a personal transformation and development, so it’s well-suited to this essay structure.

3. Series of anecdotes, or montage

This essay structure allows you to focus on the most important experiences of a single storyline, or it lets you feature multiple (not necessarily related) stories that highlight your personality. Montage is a structure where you piece together separate scenes to form a whole story. This technique is most commonly associated with film. Just envision your favorite movie—it likely is a montage of various scenes that may not even be chronological. 

Night had robbed the academy of its daytime colors, yet there was comfort in the dim lights that cast shadows of our advances against the bare studio walls. Silhouettes of roundhouse kicks, spin crescent kicks, uppercuts and the occasional butterfly kick danced while we sparred. She approached me, eyes narrowed with the trace of a smirk challenging me. “Ready spar!” Her arm began an upward trajectory targeting my shoulder, a common first move. I sidestepped — only to almost collide with another flying fist. Pivoting my right foot, I snapped my left leg, aiming my heel at her midsection. The center judge raised one finger. 

There was no time to celebrate, not in the traditional sense at least. Master Pollard gave a brief command greeted with a unanimous “Yes, sir” and the thud of 20 hands dropping-down-and-giving-him-30, while the “winners” celebrated their victory with laps as usual. 

Three years ago, seven-thirty in the evening meant I was a warrior. It meant standing up straighter, pushing a little harder, “Yes, sir” and “Yes, ma’am”, celebrating birthdays by breaking boards, never pointing your toes, and familiarity. Three years later, seven-thirty in the morning meant I was nervous. 

The room is uncomfortably large. The sprung floor soaks up the checkerboard of sunlight piercing through the colonial windows. The mirrored walls further illuminate the studio and I feel the light scrutinizing my sorry attempts at a pas de bourrée , while capturing the organic fluidity of the dancers around me. “ Chassé en croix, grand battement, pique, pirouette.” I follow the graceful limbs of the woman in front of me, her legs floating ribbons, as she executes what seems to be a perfect ronds de jambes. Each movement remains a negotiation. With admirable patience, Ms. Tan casts me a sympathetic glance.   

There is no time to wallow in the misery that is my right foot. Taekwondo calls for dorsiflexion; pointed toes are synonymous with broken toes. My thoughts drag me into a flashback of the usual response to this painful mistake: “You might as well grab a tutu and head to the ballet studio next door.” Well, here I am Master Pollard, unfortunately still following your orders to never point my toes, but no longer feeling the satisfaction that comes with being a third degree black belt with 5 years of experience quite literally under her belt. It’s like being a white belt again — just in a leotard and ballet slippers. 

But the appetite for new beginnings that brought me here doesn’t falter. It is only reinforced by the classical rendition of “Dancing Queen” that floods the room and the ghost of familiarity that reassures me that this new beginning does not and will not erase the past. After years spent at the top, it’s hard to start over. But surrendering what you are only leads you to what you may become. In Taekwondo, we started each class reciting the tenets: honor, courtesy, integrity, perseverance, self-control, courage, humility, and knowledge, and I have never felt that I embodied those traits more so than when I started ballet. 

The thing about change is that it eventually stops making things so different. After nine different schools, four different countries, three different continents, fluency in Tamil, Norwegian, and English, there are more blurred lines than there are clear fragments. My life has not been a tactfully executed, gold medal-worthy Taekwondo form with each movement defined, nor has it been a series of frappés performed by a prima ballerina with each extension identical and precise, but thankfully it has been like the dynamics of a spinning back kick, fluid, and like my chances of landing a pirouette, unpredictable. 

This essay takes a few different anecdotes and weaves them into a coherent narrative about the writer’s penchant for novel experiences. We’re plunged into her universe, in the middle of her Taekwondo spar, three years before the present day. She then transitions into a scene in a ballet studio, present day. By switching from past tense to present tense, the writer clearly demarcates this shift in time. 

The parallel use of the spoken phrase “Point” in the essay ties these two experiences together. The writer also employs a flashback to Master Pollard’s remark about “grabbing a tutu” and her habit of dorsiflexing her toes, which further cements the connection between these anecdotes. 

While some of the descriptions are a little wordy, the piece is well-executed overall, and is a stellar example of the montage structure. The two anecdotes are seamlessly intertwined, and they both clearly illustrate the student’s determination, dedication, reflectiveness, and adaptability. The writer also concludes the essay with a larger reflection on her life, many moves, and multiple languages. 

Unconventional College Essay Structures

Unconventional essay structures are any that don’t fit into the categories above. These tend to be higher risk, as it’s easier to turn off the admissions officer, but they’re also higher reward if executed correctly. 

There are endless possibilities for unconventional structures, but most fall under one of two categories:

1. Playing with essay format

Instead of choosing a traditional narrative format, you might take a more creative route to showcase your interests, writing your essay:

  • As a movie script
  • With a creative visual format (such as creating a visual pattern with the spaces between your sentences forming a picture)
  • As a two-sided Lincoln-Douglas debate
  • As a legal brief
  • Using song lyrics

2. Linguistic techniques

You could also play with the actual language and sentence structure of your essay, writing it:

  • In iambic pentameter
  • Partially in your mother tongue
  • In code or a programming language

These linguistic techniques are often hybrid, where you write some of the essay with the linguistic variation, then write more of an explanation in English.

Under no circumstances should you feel pressured to use an unconventional structure. Trying to force something unconventional will only hurt your chances. That being said, if a creative structure comes naturally to you, suits your personality, and works with the content of your essay — go for that structure!

There are no set rules for how to structure a college application essay, but you should carefully plan and outline to make sure your essay flows smoothly and logically.

You should keep the formatting as simple as possible. Admissions officers need to work very quickly, so fancy formatting, unnecessary flourishes, and unique fonts will come off as more distracting than individual. Keep in mind that, if you’re pasting your essay into a text box, formatting like italics may not transfer.

Your essay will be easier for admissions officers to read if it is 1.5- or double-spaced. If you choose to attach a file, ensure that it is a PDF.

You don’t need a title for your essay, but you can include one, especially if you think it will add something important.

Most importantly, ensure that you stick to the word count. Most successful essays are 500–600 words. Because you’re limited in length, make sure that you write concisely . Say everything that you need to express to get your point across, but don’t use more words than necessary, and don’t repeat yourself.

Once you’ve finished brainstorming topics but before you start writing, think about your writing’s trajectory: how you’ll start the essay , develop it, and end it .

Do you want to organize it chronologically? Would you prefer to make a “sandwich” structure by introducing a topic or idea, moving away from it, and then coming back to it at the end? There’s a variety of options (and a pair of strong examples below), but make sure you consider how you’d like to structure the essay before you start writing.

Although you should organize your thoughts in an outline, you don’t have to stick to it strictly. Once you begin writing, you may find that the structure you’d originally chosen doesn’t quite work. In that case, it’s fine to try something else. Multiple drafts of the same essay are key to a good final product.

Whatever structure you choose, it should be clear and easy to follow, and it should be feasible to keep it within the  word count . Never write in a way that could confuse the reader. Remember, your audience will not be reading your essay closely!

Vignettes with a common theme

The vignette structure discusses several experiences that may seem unrelated, but the author weaves them together and unites them with a common theme.

For example, a student could write an essay exploring various instances of their ability to make the best of bad situations. A rough outline for that essay might look like this:

  • In a rehearsal for a school play when a lighting fixture malfunctioned and the set caught fire, I helped extinguish it.
  • To help the situation, I improvised fixes for the set and talked with the director about adding lines referencing the “disaster.”
  • I didn’t get into my first-choice high school, but I became class president at the school where I ended up.
  • When I had ACL surgery, I used the downtime to work on my upper body strength and challenged my friends to pull-up contests.
  • How these qualities will serve me in college and in my career

Single story that demonstrates traits

The narrative structure focuses on a single overarching story that shows many aspects of a student’s character.

Some such essays focus on a relatively short event that the author details moment by moment, while others discuss the story of a longer journey, one that may cover months or years.

For example, a student might discuss trying out for a sports team as a middle schooler, high school freshman, and high school senior, using each of those instances to describe an aspect of their personality. A rough outline for that essay might look like this:

  • Confident, there to have fun
  • Very passionate and in love with the sport
  • Little sister was born that day, so I had to go alone with a friend’s parents
  • Learned to be independent and less self-centered
  • Realized that as much as I love gymnastics, there are more important things
  • Gave up first homecoming of high school, had to quit other activities, lost countless hours with friends
  • I had to repeat level 9 and didn’t progress quickly
  • I had a terrible beam routine at one competition the previous year and still had a mental block
  • I got stuck on some skills, and it took over a year to learn them
  • Passion from age 7, perspective from age 11, diligence from age 15

Formatting an Essay in MLA Style

In MLA style, the header Information that appears at the very top of a page and may appear on subsequent pages of a work. includes your last name followed by one space and then consecutive page numbers. It appears in the upper-right corner, one half-inch from the top and flush with the right-hand margin The outer edges of a document that do not contain writing or images. . "Smith 1" is the header. Under that are the student's name, the instructor's name, the course title, and the date. Right below that information is the title of the paper.

It is important to note that your name, instructor's name, course, and date should appear only on the first page of your paper. When students mistakenly place this information in the header, the information appears on every page and not just on the first page as it should.

Margins, font, and spacing

MLA has specific requirements with respect to margins, font A set of letters, numbers, and punctuation marks that are the same style. Examples: Times New Roman and Arial are fonts. , and line spacing The vertical distance between lines of text on a page. The most common types of spacing are single and double. . Set one-inch margins on all sides. Use 11-13-point font unless otherwise specified by the instructor. MLA advises using a font that is both easily readable and has regular and italicized versions of the font that are distinguishable. Times New Roman, Arial, Calibri, Baskerville, and Garamond are all good options; however, if you are ever in doubt as to which font to use, ask your instructor. Whichever font you choose, remain consistent throughout your essay. Your essay should always be double-spaced throughout. Indent the first line of paragraphs one half-inch from the margin. Use only one space after all end punctuation The punctuation at the end of a sentence, which can be a period, a question mark, or an exclamation point. The end punctuation helps define the tone and meaning of a sentence. Notice the difference in tone in these examples: Someone ate my last cookie! (I'm really mad about that.) Someone ate my last cookie. (Oh well, I wasn't hungry anyway.) Someone ate my last cookie? (I'm not sure I even had another cookie.) .

Punctuating and Formatting In-text Citations

Here are the guidelines for formatting in-text citations when using MLA style.

  • For every in-text reference, provide the author's name (or the work's title if there is no author). Include a location within the work (page number, chapter number,  time-stamp, etc.) if you quote or paraphrase a section of the source.

Evan's work has been characterized as "masterful, but distinctly odd" (Thomas 45).

"(Thomas 45)" is the in-text citation with the author and page number.

  • If the author's name is mentioned in the attributive phrase A short introduction to source material that identifies the author and often the title of a work that will be quoted or discussed in an essay or research paper. , the in-text citation should include the page number only.

John Thomas characterizes Evan's work as "masterful, but distinctly odd" (45).

"John Thomas characterizes" is the attributive phrase with the author's name. "(45)" is the in-text citation with the page number or other location information.

There are occasions when all pertinent information is included in the attributive phrase. In these cases, a parenthetical citation is not needed.

On page 45, Thomas describes Evan's work as "masterful, but distinctly odd."

"On page 45, Thomas describes" is the attributive phrase with the author name and page number. There is no in-text citation at the end because it is not needed there.

There will be times when all the information for a citation is not available--for example, websites do not always list dates and usually do not include page numbers, sources are sometimes published without authors, and so on. If you cannot obtain all the required information on a source, provide as much information as you can in order to allow readers to find your source.

  • Here is an example of how to cite a web source that does not have numbered pages:

According to a recent study, "more than seventy-five percent of payday loans are to people taking out new loans to cover the original one" (CNN).

"According to a recent study" is the attributive phrase. "(CNN)" is the source information with no page number.

Here are some more specific requirements with respect to the punctuation Marks such as such as a comma (,), period (.), question mark (?), and exclamation mark (!), among others, that help break a writing into phrases, clauses, and sentences. Different types of punctuation marks give the reader different impressions of the writer’s purpose in that sentence. and format of MLA in-text citations:

  • In most cases, the in-text citation goes inside the end punctuation.  Remember that the in-text citation is part of the sentence in which the source material Information that is quoted or paraphrased from outside works, such as journal articles, online documents, and books. is used, so it must be included in the sentence by placing the period after the parentheses.
  • When citing a quote, both the in-text citation and end punctuation go outside the closing quotation marks A set of single or double inverted commas (' ' or " ") that are placed around a word or passage to mark the beginning and end of a direct quotation or a title. . The end punctuation goes after the in-text citation, and this is one of the few instances in which the end punctuation goes outside quotation marks.
  • Prose quotes that exceed four lines are indented 0.5 inches from the left-hand margin. (The same goes for poetry quotes of more than three lines.) Because this block-quotation A copy of a long section of a text or speech, set off from the rest of a text. Block quotations, like direct quotations, are exact repeats of wording, but because of their length they are indented or printed in a different font rather than placed inside quotation marks. format signals a quotation An exact copy of the words from a speech or text. These words are placed inside quotation marks to show that they are a perfect repeat of the original. , no quotation marks are needed.
  • In long (block) quotations, the in-text citation goes outside the end punctuation.

Works Cited Pages

MLA style requires a works cited page to list the sources at the end of the work. Here are the guidelines for formatting works cited pages.

  • The works cited page needs to be double-spaced, and in the same font as the rest of the essay. Do not use bold font, do not underline any words, and do not resize the font in any way.
  • The works cited page should always begin a new page. The title—"Works Cited"—should be centered, but not bolded, underlined, or enclosed in quotes. (Note: if there is only one source, it should be titled "Work Cited.")
  • Individual citations must be arranged alphabetically.
  • If you have more than one book or article by the same author, list the works alphabetically by title. For the first entry, provide the author's full name in last name, first name format. Then, for each following work by the same author, use three hyphens or em dashes and a period in place of the name.

  • Each full citation should have a hanging indent, which means that the first line should be on the left margin and all following lines indented by 0.5 inches.
  • The author's full name (unless there are more than two authors; then et al. replaces all but the first author's name)
  • Title of work (chapter, article, web page, etc.) in quotation marks
  • Title of larger work, if applicable (book, newspaper, journal, magazine, website, etc.) in italics
  • Page numbers, when applicable
  • Publisher's information, when applicable
  • Date published
  • Identify the location of online works with a DOI, permalink, or URL.

In the example works cited page above, the title is "Works Cited." The citations are listed in alphabetical order, and the font is 11- to 13-point. Note the use of a hanging indent for each citation.

You will encounter various situations over the course of your academic career in which you will be required to provide work with properly cited references. For example, imagine that your literature instructor assigns an essay requiring evidentiary sources Specific media, such as journal articles, newspapers, and research studies that provide the support for claims or viewpoints expressed in an essay and help convince readers that an argument has merit. Evidentiary sources may provide facts and statistics, expert opinions, or anecdotal evidence. . This will require you to research and compile a list of citations for your sources. As you are writing, you will incorporate in-text citations into your essay. Another scenario in which you will need to provide in-text citations and a works cited page is when you are asked to write an essay to support your findings in a science lab. While this essay should be based upon your own experiential evidence in the lab, you will need to do research to provide additional support for your findings.

Any time you use the ideas A thought, opinion, or impression. , arguments A set of statements or reasons making a case for or against something. , theories In science, a well tested and widely accepted explanation for a phenomenon. Theories incorporate facts, observations, experiments, laws, and careful reasoning. In more general usage, theory may merely mean an unproven idea, speculation, or guesswork. , or words of another writer, you must provide correct and properly formatted citations. Be sure to check with your instructors regarding what style they prefer for formatting any essay you are assigned.

Exercise 1: MLA In-text Citations

This section provides five examples demonstrating incorrect punctuation and format for in-text citations in MLA style. As you read, notice the errors and how they should be corrected.

  • Wright argues that Shakespeare's comedies are in fact "more tragic than his tragedies" (Wright 22).

The error in the above example is repeating the author's name in the in-text citation. When the author's name is included in the attributive phrase, it doesn't need to be repeated in the in-text citation.

Correction: Wright argues that Shakespeare's comedies are in fact "more tragic than his tragedies" (22).

  • According to Wright, Shakespeare's comedies should be characterized as "more tragic than his tragedies." (Wright 22)

There are two errors. First, the author's name should not be included in the in-text citation when it has already been stated in the attributive phrase. Second, the formatting of the in-text citation is incorrect. The period should come after the page number outside the right parenthesis mark. The in-text citation is part of the sentence, so the period should be placed after it.

Correction: According to Wright, Shakespeare's comedies should be characterized as "more tragic than his tragedies" (22).

  • According to Jesperson, Dr. Master's research about levels of exercise and aggression in dogs is "unsubstantiated" (2010 Jesperson).

The errors in this example are that the author's name is repeated in the in-text citation, the page number is missing, and the year of publication is needlessly included.

Correction: According to Jesperson, Dr. Master's research about levels of exercise and aggression in dogs is "unsubstantiated" (165).

  • Jesperson wrote, "Dr. Master's research around dogs and how certain breeds need more walking and running or they will become aggressive is unsubstantiated" (The Contemporary Journal of Canine Behavior; page 165).

There are three errors in the above example. First, the writer has incorporated the title of the publication into the in-text citation. While that must be included in the works cited page, the title of the publication is not part of the in-text citation. Second, there is no need to precede the page number by the word "page." Third, the semicolon in the citation is unnecessary in MLA in-text citations.

Correction: Jesperson wrote, "Dr. Master's research around dogs and how certain breeds need more walking and running or they will become aggressive is unsubstantiated" (165).

  • In Saving Money and Time , Brandle makes a convincing argument that we should "stop wasting our resources on living longer and just start living more."

There are two errors in this final example. The first is that the title of the book is both italicized and underlined. It should only be italicized. The second is the absence of a page number. When the page number necessary for a reader to find a particular quote is not part of the attributive phrase, it must be included in the in-text citation.

Correction: In Saving Money and Time , Brandle makes a convincing argument that we should "stop wasting our resources on living longer and just start living more" (80).

This section provides five examples of in-text citations in MLA style. Now it's your turn to determine if the examples have been properly punctuated and formatted. Identify the errors, if any, and correct the in-text citation accordingly.

  • According to Kendricks, the works of Abbott are so popular because the average person can "relate" to them (94).

This example is properly punctuated and formatted.

No correction necessary.

  • On page 33 of "The Short Story as Told by Ronald Abbott," Kendricks argues that the success of Abbott's writing can be attributed to the average reader's ability to "relate" to it. (Kendricks, page 33, "The Short Story as Told by Ronald Abbott").

This example unnecessarily includes an in-text citation and is incorrectly punctuated. When all relevant information is included in the attributive phrase, an in-text citation is not used.

Correction: On page 33 of "The Short Story as Told by Ronald Abbott," Kendricks argues that the success of Abbott's writing can be attributed to the average reader's ability to "relate" to it.

  • Thompson beautifully explains Fine's argument regarding the "trials and tribulations" of today's college student. (page 423, 2011).

The errors in this example are the word "page" and the date, which are incorrectly included in the in-text citation; also, there is an extra period after "student."

Correction: Thompson beautifully explains Fine's argument regarding the "trials and tribulations" of today's college student (423).

  • "I believe," writes Fine, "that nothing should stand in the way of a young person's desire to go to college, even finances." ("Today's Economy and Its Impact on Higher Education," The Journal of Education and Economics, 16(6): 2012: 125 –129. Print. (page 128).

There are two errors in this example. First, in the parenthetical citation following the quote, too much information is provided. The goal is to lead readers to the proper entry in the works cited page. Second, the addition of the word "page" to the in-text citation is incorrect.

Correction: "I believe," writes Fine, "that nothing should stand in the way of a young person's desire to go to college, even finances" (128).

  • In her essay, Reynolds argues that Stevens's book (22) accurately and aptly depicts the current state of environmental conservatism in our cities.

The page number is in the wrong place in the sentence. It should come at the end before the period.

Correction: In her essay, Reynolds argues that Stevens's book accurately and aptly depicts the current state of environmental conservatism in our cities (22).

It is important to correctly format my essays because instructors expect this of their students. Plus, if I turn in properly formatted essays, my instructors will know that I have made an effort to follow their guidelines, so it will probably positively impact my grade and reflect well on the quality of my work.

Neither the in-text citation information nor the works cited page provide enough information regarding your sources by themselves. In-text citations and the works cited page work together to allow you to write a smooth and cohesive essay (rather than one that is broken up by full citations), provide the details required by the MLA style, and enable your readers to locate any of your sources.

What is the format of a college application essay?

Generally, essays for college admission follow a simple format that includes an opening paragraph, a lengthier body section, and a closing paragraph. You don't need to include a title, which will only take up extra space. Keep in mind that the exact format can vary from one college application to the next. Read the instructions and prompt for more guidance.

Most online applications will include a text box for your essay. If you're attaching it as a document, however, be sure to use a standard, 12-point font and use 1.5-spaced or double-spaced lines, unless the application specifies different font and spacing.

Below are guidelines for the formatting of essays based on recommendations from the MLA (the Modern Language Association).

  • Fonts : Your essay should be word processed in 12-point Times New Roman fonts.
  • Double space : Your entire essay should be double spaced, with no single spacing anywhere and no extra spacing anywhere. There should not be extra spaces between paragraphs.
  • Heading : In the upper left corner of the first page of your essay, you should type your name, the instructor's name, your class, and the date, as follows: Your Name Mr. Rambo ENG 1001-100 18 January 2022
  • Margins : According to the MLA, your essay should have a one-inch margin on the top, bottom, left, and right.
  • Page Numbers : Your last name and the page number should appear in the upper right corner of each page of your essay, including the first page, as in Jones 3 . Insert your name and the page number as a "header." Do not type this information where the text of your essay should be.
  • Title : Your essay should include a title. The title should be centered and should appear under the heading information on the first page and above the first line of your essay. The title should be in the same fonts as the rest of your essay, with no quotation marks, no underlining, no italics, and no bold.
  • Indentation : The first line of each paragraph should be indented. According to the MLA, this indentation should be 1/2 inch or five spaces, but pressing [Tab] once should give you the correct indentation.

Figuring out your college essay can be one of the most difficult parts of applying to college. Even once you've read the prompt and picked a topic, you might wonder: if you write too much or too little, will you blow your chance of admission? How long should a college essay be?

Whether you're a terse writer or a loquacious one, we can advise you on college essay length. In this guide, we'll cover what the standard college essay length is, how much word limits matter, and what to do if you aren't sure how long a specific essay should be.

How Long Is a College Essay? First, Check the Word Limit

You might be used to turning in your writing assignments on a page-limit basis (for example, a 10-page paper). While some colleges provide page limits for their college essays, most use a word limit instead. This makes sure there's a standard length for all the essays that a college receives, regardless of formatting or font.

In the simplest terms, your college essay should be pretty close to, but not exceeding, the word limit in length. Think within 50 words as the lower bound, with the word limit as the upper bound. So for a 500-word limit essay, try to get somewhere between 450-500 words. If they give you a range, stay within that range.

College essay prompts usually provide the word limit right in the prompt or in the instructions.

For example, the University of Illinois says :

"You'll answer two to three prompts as part of your application. The questions you'll answer will depend on whether you're applying to a major or to our undeclared program , and if you've selected a second choice . Each response should be approximately 150 words."

As exemplified by the University of Illinois, the shortest word limits for college essays are usually around 150 words (less than half a single-spaced page). Rarely will you see a word limit higher than around 650 words (over one single-spaced page). College essays are usually pretty short: between 150 and 650 words. Admissions officers have to read a lot of them, after all!

How Flexible Is the Word Limit?

But how flexible is the word limit? What if your poignant anecdote is just 10 words too long—or 100 too short?

Can I Go Over the Word Limit?

If you are attaching a document and you need one or two extra words, you can probably get away with exceeding the word limit by such a small amount. Some colleges will actually tell you that exceeding the word limit by 1-2 words is fine. However, I advise against exceeding the word limit unless it's explicitly allowed for a few reasons:

First, you might not be able to. If you have to copy-paste it into a text box, your essay might get cut off and you'll have to trim it down anyway.

If you exceed the word limit in a noticeable way, the admissions counselor may just stop reading your essay past that point. This is not good for you.

Following directions is actually a very important part of the college application process. You need to follow directions to get your letters of recommendation, upload your essays, send supplemental materials, get your test scores sent, and so on and so forth. So it's just a good general rule to follow whatever instructions you've been given by the institution. Better safe than sorry!

Can I Go Under the Word Limit?

If you can truly get your point across well beneath the word limit, it's probably fine. Brevity is not necessarily a bad thing in writing just so long as you are clear, cogent, and communicate what you want to.

However, most college essays have pretty tight word limits anyways. So if you're writing 300 words for an essay with a 500-word limit, ask yourself: is there anything more you could say to elaborate on or support your points? Consult with a parent, friend, or teacher on where you could elaborate with more detail or expand your points.

Also, if the college gives you a word range, you absolutely need to at least hit the bottom end of the range. So if you get a range from the institution, like 400-500 words, you need to write at least 400 words. If you write less, it will come across like you have nothing to say, which is not an impression you want to give.

What If There Is No Word Limit?

Some colleges don't give you a word limit for one or more of your essay prompts. This can be a little stressful, but the prompts generally fall into a few categories:

Writing Sample

Some colleges don't provide a hard-and-fast word limit because they want a writing sample from one of your classes. In this case, a word limit would be very limiting to you in terms of which assignments you could select from.

For an example of this kind of prompt, check out essay Option B at Amherst :

"Submit a graded paper from your junior or senior year that best represents your writing skills and analytical abilities. We are particularly interested in your ability to construct a tightly reasoned, persuasive argument that calls upon literary, sociological or historical evidence. You should NOT submit a laboratory report, journal entry, creative writing sample or in-class essay."

While there is usually no word limit per se, colleges sometimes provide a general page guideline for writing samples. In the FAQ for Option B , Amherst clarifies, "There is no hard-and-fast rule for official page limit. Typically, we anticipate a paper of 4-5 pages will provide adequate length to demonstrate your analytical abilities. Somewhat longer papers can also be submitted, but in most cases should not exceed 8-10 pages."

So even though there's no word limit, they'd like somewhere in the 4-10 pages range. High school students are not usually writing papers that are longer than 10 pages anyways, so that isn't very limiting.

Implicit Length Guideline

Sometimes, while there's no word (or even page) limit, there's still an implicit length guideline. What do I mean by this?

See, for example, this Western Washington University prompt :

“Describe one or more activities you have been involved in that have been particularly meaningful. What does your involvement say about the communities, identities or causes that are important to you?”

While there’s no page or word limit listed here, further down on page the ‘essay tips’ section explains that “ most essay responses are about 500 words, ” though “this is only a recommendation, not a firm limit.” This gives you an idea of what’s reasonable. A little longer or shorter than 500 words would be appropriate here. That’s what I mean by an “implicit” word limit—there is a reasonable length you could go to within the boundaries of the prompt.

But what's the proper coffee-to-paragraph ratio?

Treasure Hunt

There is also the classic "treasure hunt" prompt. No, it's not a prompt about a treasure hunt. It's a prompt where there are no length guidelines given, but if you hunt around on the rest of the website you can find length guidelines.

For example, the University of Chicago provides seven "Extended Essay" prompts . You must write an essay in response to one prompt of your choosing, but nowhere on the page is there any guidance about word count or page limit.

However, many colleges provide additional details about their expectations for application materials, including essays, on FAQ pages, which is true of the University of Chicago. On the school’s admissions Frequently Asked Questions page , they provide the following length guidelines for the supplemental essays: 

“We suggest that you note any word limits for Coalition or Common Application essays; however, there are no strict word limits on the UChicago Supplement essays. For the extended essay (where you choose one of several prompts), we suggest that you aim for around 650 words. While we won't, as a rule, stop reading after 650 words, we're only human and cannot promise that an overly wordy essay will hold our attention indefinitely. For the “Why UChicago?” essay, we suggest about 250-500 words. The ideas in your writing matter more than the exact number of words you use!”

So there you go! You want to be (loosely) in the realm of 650 for the extended essay, and 250-500 words for the “Why UChicago?” essay.

Help! There Really Is No Guidance on Length

If you really can't find any length guidelines anywhere on the admissions website and you're at a loss, I advise calling the admissions office. They may not be able to give you an exact number (in fact, they probably won't), but they will probably at least be able to tell you how long most of the essays they see are. (And keep you from writing a panicked, 20-page dissertation about your relationship with your dog).

In general, 500 words or so is pretty safe for a college essay. It's a fairly standard word limit length, in fact. (And if you're wondering, that's about a page and a half double-spaced.) 500 words is long enough to develop a basic idea while still getting a point across quickly—important when admissions counselors have thousands of essays to read!

The Final Word: How Long Should a College Essay Be?

The best college essay length is usually pretty straightforward: you want to be right under or at the provided word limit. If you go substantially past the word limit, you risk having your essay cut off by an online application form or having the admissions officer just not finish it. And if you're too far under the word limit, you may not be elaborating enough.

What if there is no word limit? Then how long should a college essay be? In general, around 500 words is a pretty safe approximate word amount for a college essay—it's one of the most common word limits, after all!

Here's guidance for special cases and hunting down word limits:

If it's a writing sample of your graded academic work, the length either doesn't matter or there should be some loose page guidelines.

There also may be implicit length guidelines. For example, if a prompt says to write three paragraphs, you'll know that writing six sentences is definitely too short, and two single-spaced pages is definitely too long.

You might not be able to find length guidelines in the prompt, but you could still hunt them up elsewhere on the website. Try checking FAQs or googling your chosen school name with "admissions essay word limit."

If there really is no word limit, you can call the school to try to get some guidance.

A step-by-step guide for creating and formatting APA Style student papers

The start of the semester is the perfect time to learn how to create and format APA Style student papers. This article walks through the formatting steps needed to create an APA Style student paper, starting with a basic setup that applies to the entire paper (margins, font, line spacing, paragraph alignment and indentation, and page headers). It then covers formatting for the major sections of a student paper: the title page, the text, tables and figures, and the reference list. Finally, it concludes by describing how to organize student papers and ways to improve their quality and presentation.

The guidelines for student paper setup are described and shown using annotated diagrams in the Student Paper Setup Guide (PDF, 3.40MB) and the A Step-by-Step Guide to APA Style Student Papers webinar . Chapter 1 of the Concise Guide to APA Style and Chapter 2 of the Publication Manual of the American Psychological Association describe the elements, format, and organization for student papers. Tables and figures are covered in Chapter 7 of both books. Information on paper format and tables and figures and a full sample student paper are also available on the APA Style website.

Basic setup

The guidelines for basic setup apply to the entire paper. Perform these steps when you first open your document, and then you do not have to worry about them again while writing your paper. Because these are general aspects of paper formatting, they apply to all APA Style papers, student or professional. Students should always check with their assigning instructor or institution for specific guidelines for their papers, which may be different than or in addition to APA Style guidelines.

Seventh edition APA Style was designed with modern word-processing programs in mind. Most default settings in programs such as Academic Writer, Microsoft Word, and Google Docs already comply with APA Style. This means that, for most paper elements, you do not have to make any changes to the default settings of your word-processing program. However, you may need to make a few adjustments before you begin writing.

Use 1-in. margins on all sides of the page (top, bottom, left, and right). This is usually how papers are automatically set.

Use a legible font. The default font of your word-processing program is acceptable. Many sans serif and serif fonts can be used in APA Style, including 11-point Calibri, 11-point Arial, 12-point Times New Roman, and 11-point Georgia. You can also use other fonts described on the font page of the website.

Line spacing

Double-space the entire paper including the title page, block quotations, and the reference list. This is something you usually must set using the paragraph function of your word-processing program. But once you do, you will not have to change the spacing for the entirety of your paper–just double-space everything. Do not add blank lines before or after headings. Do not add extra spacing between paragraphs. For paper sections with different line spacing, see the line spacing page.

Paragraph alignment and indentation

Align all paragraphs of text in the body of your paper to the left margin. Leave the right margin ragged. Do not use full justification. Indent the first line of every paragraph of text 0.5-in. using the tab key or the paragraph-formatting function of your word-processing program. For paper sections with different alignment and indentation, see the paragraph alignment and indentation page.

Page numbers

Put a page number in the top right of every page header , including the title page, starting with page number 1. Use the automatic page-numbering function of your word-processing program to insert the page number in the top right corner; do not type the page numbers manually. The page number is the same font and font size as the text of your paper. Student papers do not require a running head on any page, unless specifically requested by the instructor.

Title page elements.

APA Style has two title page formats: student and professional (for details, see title page setup ). Unless instructed otherwise, students should use the student title page format and include the following elements, in the order listed, on the title page:

  • Paper title.
  • Name of each author (also known as the byline).
  • Affiliation for each author.
  • Course number and name.
  • Instructor name.
  • Assignment due date.
  • Page number 1 in the top right corner of the page header.

The format for the byline depends on whether the paper has one author, two authors, or three or more authors.

  • When the paper has one author, write the name on its own line (e.g., Jasmine C. Hernandez).
  • When the paper has two authors, write the names on the same line and separate them with the word “and” (e.g., Upton J. Wang and Natalia Dominguez).
  • When the paper has three or more authors, separate the names with commas and include “and” before the final author’s name (e.g., Malia Mohamed, Jaylen T. Brown, and Nia L. Ball).

Students have an academic affiliation, which identities where they studied when the paper was written. Because students working together on a paper are usually in the same class, they will have one shared affiliation. The affiliation consists of the name of the department and the name of the college or university, separated by a comma (e.g., Department of Psychology, George Mason University). The department is that of the course to which the paper is being submitted, which may be different than the department of the student’s major. Do not include the location unless it is part of the institution’s name.

Write the course number and name and the instructor name as shown on institutional materials (e.g., the syllabus). The course number and name are often separated by a colon (e.g., PST-4510: History and Systems Psychology). Write the assignment due date in the month, date, and year format used in your country (e.g., Sept. 10, 2020).

Title page line spacing

Double-space the whole title page. Place the paper title three or four lines down from the top of the page. Add an extra double-spaced blank like between the paper title and the byline. Then, list the other title page elements on separate lines, without extra lines in between.

Title page alignment

Center all title page elements (except the right-aligned page number in the header).

Title page font

Write the title page using the same font and font size as the rest of your paper. Bold the paper title. Use standard font (i.e., no bold, no italics) for all other title page elements.

Text elements

Repeat the paper title at the top of the first page of text. Begin the paper with an introduction to provide background on the topic, cite related studies, and contextualize the paper. Use descriptive headings to identify other sections as needed (e.g., Method, Results, Discussion for quantitative research papers). Sections and headings vary depending on the paper type and its complexity. Text can include tables and figures, block quotations, headings, and footnotes.

Text line spacing

Double-space all text, including headings and section labels, paragraphs of text, and block quotations.

Text alignment

Center the paper title on the first line of the text. Indent the first line of all paragraphs 0.5-in.

Left-align the text. Leave the right margin ragged.

Block quotation alignment

Indent the whole block quotation 0.5-in. from the left margin. Double-space the block quotation, the same as other body text. Find more information on the quotations page.

Use the same font throughout the entire paper. Write body text in standard (nonbold, nonitalic) font. Bold only headings and section labels. Use italics sparingly, for instance, to highlight a key term on first use (for more information, see the italics page).

Headings format

For detailed guidance on formatting headings, including headings in the introduction of a paper, see the headings page and the headings in sample papers .

  • Alignment: Center Level 1 headings. Left-align Level 2 and Level 3 headings. Indent Level 4 and Level 5 headings like a regular paragraph.
  • Font: Boldface all headings. Also italicize Level 3 and Level 5 headings. Create heading styles using your word-processing program (built into AcademicWriter, available for Word via the sample papers on the APA Style website).

Tables and figures setup

Tables and figures are only included in student papers if needed for the assignment. Tables and figures share the same elements and layout. See the website for sample tables and sample figures .

Table elements

Tables include the following four elements: 

  • Body (rows and columns)
  • Note (optional if needed to explain elements in the table)

Figure elements

Figures include the following four elements: 

  • Image (chart, graph, etc.)
  • Note (optional if needed to explain elements in the figure)

Table line spacing

Double-space the table number and title. Single-, 1.5-, or double-space the table body (adjust as needed for readability). Double-space the table note.

Figure line spacing

Double-space the figure number and title. The default settings for spacing in figure images is usually acceptable (but adjust the spacing as needed for readability). Double-space the figure note.

Table alignment

Left-align the table number and title. Center column headings. Left-align the table itself and left-align the leftmost (stub) column. Center data in the table body if it is short or left-align the data if it is long. Left-align the table note.

Figure alignment

Left-align the figure number and title. Left-align the whole figure image. The default alignment of the program in which you created your figure is usually acceptable for axis titles and data labels. Left-align the figure note.

Bold the table number. Italicize the table title. Use the same font and font size in the table body as the text of your paper. Italicize the word “Note” at the start of the table note. Write the note in the same font and font size as the text of your paper.

Figure font

Bold the figure number. Italicize the figure title. Use a sans serif font (e.g., Calibri, Arial) in the figure image in a size between 8 to 14 points. Italicize the word “Note” at the start of the figure note. Write the note in the same font and font size as the text of your paper.

Placement of tables and figures

There are two options for the placement of tables and figures in an APA Style paper. The first option is to place all tables and figures on separate pages after the reference list. The second option is to embed each table and figure within the text after its first callout. This guide describes options for the placement of tables and figures embedded in the text. If your instructor requires tables and figures to be placed at the end of the paper, see the table and figure guidelines and the sample professional paper .

Call out (mention) the table or figure in the text before embedding it (e.g., write “see Figure 1” or “Table 1 presents”). You can place the table or figure after the callout either at the bottom of the page, at the top of the next page, or by itself on the next page. Avoid placing tables and figures in the middle of the page.

Embedding at the bottom of the page

Include a callout to the table or figure in the text before that table or figure. Add a blank double-spaced line between the text and the table or figure at the bottom of the page.

Embedding at the top of the page

Include a callout to the table in the text on the previous page before that table or figure. The table or figure then appears at the top of the next page. Add a blank double-spaced line between the end of the table or figure and the text that follows.

Embedding on its own page

Embed long tables or large figures on their own page if needed. The text continues on the next page.

Reference list setup

Reference list elements.

The reference list consists of the “References” section label and the alphabetical list of references. View reference examples on the APA Style website. Consult Chapter 10 in both the Concise Guide and Publication Manual for even more examples.

Reference list line spacing

Start the reference list at the top of a new page after the text. Double-space the entire reference list (both within and between entries).

Reference list alignment

Center the “References” label. Apply a hanging indent of 0.5-in. to all reference list entries. Create the hanging indent using your word-processing program; do not manually hit the enter and tab keys.

Reference list font

Bold the “References” label at the top of the first page of references. Use italics within reference list entries on either the title (e.g., webpages, books, reports) or on the source (e.g., journal articles, edited book chapters).

Final checks

Check page order.

  • Start each section on a new page.
  • Arrange pages in the following order:
  • Title page (page 1).
  • Text (starts on page 2).
  • Reference list (starts on a new page after the text).

Check headings

  • Check that headings accurately reflect the content in each section.
  • Start each main section with a Level 1 heading.
  • Use Level 2 headings for subsections of the introduction.
  • Use the same level of heading for sections of equal importance.
  • Avoid having only one subsection within a section (have two or more, or none).

Check assignment instructions

  • Remember that instructors’ guidelines supersede APA Style.
  • Students should check their assignment guidelines or rubric for specific content to include in their papers and to make sure they are meeting assignment requirements.

Tips for better writing

  • Ask for feedback on your paper from a classmate, writing center tutor, or instructor.
  • Budget time to implement suggestions.
  • Use spell-check and grammar-check to identify potential errors, and then manually check those flagged.
  • Proofread the paper by reading it slowly and carefully aloud to yourself.
  • Consult your university writing center if you need extra help.

When writing an essay, formatting it correctly is of utmost importance. You have to get the spacing correctly according to the style of writing and your professor’s preference. Essays, research papers, books and articles all need their own style of spacing.

If there are no clear guidelines from your lecturer, it can be difficult to know how to format your essay in terms of spacing.

Adequate spacing between lines makes it easy for your grader to make corrections by including his or her comments. This is more helpful if the grading is on hard copy.

There are few colleges and universities that accept this spacing. Yet on the face of it, most readers do not appreciate single spacing.

Tutors who prefer more words to appear on one page recommends this style of writing. In Microsoft Word, single spaced essays have a line spacing of 1.15.

Both readers and writers dislike single spaced essays because of poor readability owing to the fact that there is little space left in between the lines. For professors, they usually find it difficult to include comments, or point out specific problems that writer needs to correct.

If the corrections are put, the student will also find it difficult to to follow the recommendations.

Texts that appear with congestion in the format of styling are obviously hard for the audience to read. Single spaced essays leave no blank space in between making the texts not to appear reader-friendly.

Without a doubt, the drawbacks of single spaced essays surpass the advantages. Therefore, this style of spacing in essays is highly discouraged.

Difference between Single and Double Spaced Essays

Spacing is basically the blank space you leave between lines in a document. When typing on Microsoft word or any word tool, it is possible to establish your own spacing between the lines. Writers have the option of single spacing, double spacing or selecting their own custom spacing style.

Single and double spacing

Essay writing involves single spacing and double spacing in most cases. Single space has a space of only 1.5. It is a very small space that you leave between the lines of texts you write.

In double space, there is enough blank space that equals the height of a line found in a text. The blank line is found in the rows where your words appear.

If you are typing your essay on a word processor or manually writing it by hand, there has to be enough space in between lines. Adequate spacing promotes good readability. Too little space in between makes the texts to appear clogged together.

This will definitely give the readers a difficult time. On the other hand, leaving too much space will also create a bad appearance. Pages will appear blank thereby discouraging your audience from reading.

This means that a writer has to establish the right spacing that is neither narrow nor wide for readers.

Most essays follow single or double spacing. If you don’t like the two, you can opt to use your own custom spacing between the different lines of your text. Your custom spacing will look better if you use the right font.

Single spacing simply refers to the space you leave between the lines of your paper. When you write your essay using the single spacing style, the typed lines are congested. This is because the white space you leave between the lines you have typed is too small.

Some professors prefer single space for various reasons. Writing with this type of style is not difficult. However, if you have included another type of spacing after typing, there is no need to panic. There are formatting changes you can make to take your essay back to single space.

These are changes you can make at any stage of the writing process. Nevertheless, bear in mind that how to effect these changes is not the same. Word processing programs are different and each has separate methods of changing spacing styles.

If you are using Microsoft word, the following steps will apply to arrive at a single spacing:

  • Start by highlighting the text that you have already been typing. This step is only necessary if you have already typed your texts. If you are yet to type anything, skip it as there will be nothing to highlight.
  • Proceed to the page layout tab after selecting your text.
  • From the page layout proceed to the paragraph segment. Here, point to the arrow appearing at the left corner. A new window will appear after clicking on this arrow.
  • Click no the spacing tab that appears.
  •  Here, you will be able to locate the line spacing menu and pick single from the available options.

This is a process that applies to Microsoft Word 2010. However, most of the versions of Microsoft Word will still use the same process to arrive at single spacing.

The process is slightly different if you are using Mac. Open the pages word processor and highlight the text that you want to change to single spacing. Click on the blue button that appears at the top corner of your Mac’s window. The button is called the inspector.

A new window will open and you can easily locate the Spacing section to change your text spacing into single.
