How can you make a good presentation even more effective?

This page draws on published advice from expert presenters around the world, which will help to take your presentations from merely ‘good’ to ‘great’.

By bringing together advice from a wide range of people, the aim is to cover a whole range of areas.

Whether you are an experienced presenter, or just starting out, there should be ideas here to help you to improve.

1. Show your Passion and Connect with your Audience

It’s hard to be relaxed and be yourself when you’re nervous.

But time and again, the great presenters say that the most important thing is to connect with your audience, and the best way to do that is to let your passion for the subject shine through.

Be honest with the audience about what is important to you and why it matters.

Be enthusiastic and honest, and the audience will respond.

2. Focus on your Audience’s Needs

Your presentation needs to be built around what your audience is going to get out of the presentation.

As you prepare the presentation, you always need to bear in mind what the audience needs and wants to know, not what you can tell them.

While you’re giving the presentation, you also need to remain focused on your audience’s response, and react to that.

You need to make it easy for your audience to understand and respond.

3. Keep it Simple: Concentrate on your Core Message

When planning your presentation, you should always keep in mind the question:

What is the key message (or three key points) for my audience to take away?

You should be able to communicate that key message very briefly.

Some experts recommend a 30-second ‘elevator summary’, others that you can write it on the back of a business card, or say it in no more than 15 words.

Whichever rule you choose, the important thing is to keep your core message focused and brief.

And if what you are planning to say doesn’t contribute to that core message, don’t say it.

4. Smile and Make Eye Contact with your Audience

This sounds very easy, but a surprisingly large number of presenters fail to do it.

If you smile and make eye contact, you are building rapport , which helps the audience to connect with you and your subject. It also helps you to feel less nervous, because you are talking to individuals, not to a great mass of unknown people.

To help you with this, make sure that you don’t turn down all the lights so that only the slide screen is visible. Your audience needs to see you as well as your slides.

5. Start Strongly

The beginning of your presentation is crucial. You need to grab your audience’s attention and hold it.

They will give you a few minutes’ grace in which to entertain them, before they start to switch off if you’re dull. So don’t waste that on explaining who you are. Start by entertaining them.

Try a story (see tip 7 below), or an attention-grabbing (but useful) image on a slide.

6. Remember the 10-20-30 Rule for Slideshows

This is a tip from Guy Kawasaki of Apple. He suggests that slideshows should:

  • Contain no more than 10 slides;
  • Last no more than 20 minutes; and
  • Use a font size of no less than 30 point.

This last is particularly important as it stops you trying to put too much information on any one slide. This whole approach avoids the dreaded ‘Death by PowerPoint’.

As a general rule, slides should be the sideshow to you, the presenter. A good set of slides should be no use without the presenter, and they should definitely contain less, rather than more, information, expressed simply.

If you need to provide more information, create a bespoke handout and give it out after your presentation.

7. Tell Stories

Human beings are programmed to respond to stories.

Stories help us to pay attention, and also to remember things. If you can use stories in your presentation, your audience is more likely to engage and to remember your points afterwards. It is a good idea to start with a story, but there is a wider point too: you need your presentation to act like a story.

Think about what story you are trying to tell your audience, and create your presentation to tell it.

Finding The Story Behind Your Presentation

To effectively tell a story, focus on using at least one of the two most basic storytelling mechanics in your presentation:

Focusing On Characters – People have stories; things, data, and objects do not. So ask yourself “who” is directly involved in your topic that you can use as the focal point of your story.

For example, instead of talking about cars (your company’s products), you could focus on specific characters like:

  • The drivers the car is intended for – people looking for speed and adventure
  • The engineers who went out of their way to design the most cost-effective car imaginable

A Changing Dynamic – A story needs something to change along the way. So ask yourself “What is not as it should be?” and answer with what you are going to do about it (or what you did about it).

For example…

  • Did hazardous road conditions inspire you to build a rugged, all-terrain jeep that any family could afford?
  • Did a complicated and confusing food labelling system lead you to establish a colour-coded nutritional index so that anybody could easily understand it?

8. Use your Voice Effectively

The spoken word is actually a pretty inefficient means of communication, because it uses only one of your audience’s five senses. That’s why presenters tend to use visual aids, too. But you can help to make the spoken word better by using your voice effectively.

Varying the speed at which you talk, and emphasising changes in pitch and tone all help to make your voice more interesting and hold your audience’s attention.

9. Use your Body Too

It has been estimated that more than three quarters of communication is non-verbal.

That means that as well as your tone of voice, your body language is crucial to getting your message across. Make sure that you are giving the right messages: body language to avoid includes crossed arms, hands held behind your back or in your pockets, and pacing the stage.

Make your gestures open and confident, and move naturally around the stage, and among the audience too, if possible.

10. Relax, Breathe and Enjoy

If you find presenting difficult, it can be hard to be calm and relaxed about doing it.

One option is to start by concentrating on your breathing. Slow it down, and make sure that you’re breathing fully. Make sure that you continue to pause for breath occasionally during your presentation too.

If you can bring yourself to relax, you will almost certainly present better. If you can actually start to enjoy yourself, your audience will respond to that, and engage better. Your presentations will improve exponentially, and so will your confidence. It’s well worth a try.

Presenting to an audience is one thing, but presenting ideas in a persuasive manner to the key stakeholders of your business is a whole other ball game.

The fact of the matter is that successfully presenting to a room full of people is a skill that’s mastered by very few. It takes practice, practice, and even more practice to start feeling comfortable with everyone’s eyes focused on you so you can effectively get your point across. 

The reality of presenting is that you can’t escape it. Especially as you start to move up in your career. 1. Practice speaking in front of others

Practice always makes perfect. 

It doesn’t matter how well you know what you’re talking about, the moment you have to persuade, engage, or teach in front of an audience, you will probably stumble a bit. This is a natural reaction that affects pretty much everyone when all eyes are pointed in one direction and the anxiety sets in. 

It’s important to remember that the overwhelming feeling of stress you probably feel is the result of your unfamiliarity with the situation, not from your lack of preparedness. The more comfortable you are with taking the stage and having everyone’s attention on you, the less nervous you’ll get. 

The greater confidence you have in your presentation skills will allow you to focus on what actually matters–which is the material that you’re presenting. 

The best way to implement this practice is by starting off small. Prepare a presentation to give to your friends, family, or closest co-workers. This sounds easy, but you will learn that it’s not necessarily who is listening to you that causes nerves, but it’s the fact that all of the attention is on you.

2. Use less text and more visuals in your presentation

We’ve all been there before: sitting at the conference table trying our very best to stay interested and engaged with the presentation before us. The presentation lacks color, images, and all sense of creativity while containing an over-abundance of text and long-form paragraphs. 

These types of presentations are horrible for two reasons: 

The first reason being that the minute you have words on the screen, your audience will direct their attention away from you to begin reading and completely tune you out. 

The second reason is if your presentation skills are poor, not only will your presentation be dull to listen to, but it will be unbelievably boring to look at as well. You’ll quickly find out how easy it is to lose most of the room’s attention when you create a lackluster presentation.

3. Leverage your personality

As cliche as it sounds, you should always be true to who you are, especially if when you’re presenting. 

It’s incredibly easy to tell if someone is faking it for the sake of their audience, so you should never pretend to act in a way that you don’t typically do. Not only will you feel unnatural and uncomfortable doing it, but you can also risk embarrassment when you try to tell a forced joke and no one laughs or your new-found trait of sarcasm doesn’t sit well with your boss. 

It should bring you comfort knowing that most everyone in your meeting knows who you are. Use this to your advantage and start the presentation by playing up your best personality traits. Use your humor if you’re known to crack jokes or throw in your typical mannerisms.

These little additions will make your presentation feel much more relaxed for everyone involved. In addition to your own unique quirks, you should also bring a level of personability to your meeting.

Be empathetic, smile more, and look around the room.  Doing so will improve your presentation skills, make you more likable, and allow your audience to be more receptive to you.

4. Welcome questions and comments during your presentation

Be flexible throughout your presentation. Answer questions and respond to any comments your audience may have either through hand raising or an audience response tool . Don’t worry if it veers you off your script. Chances are if one person has a question or comment, the others in the room are thinking it too. 

Use this as an opportunity to prove how well you understand the material you’re presenting–your audience will take notice.

Also, take some time out at the start or your presentation to ask your audience some icebreaker questions and slowly transition into the more important stuff. 

Taking this minute to talk through anything that your audience is thinking of is a good thing because it means they are engaged with you and really paying attention to the words coming out of your mouth. Doing so will also relax the format of your presentation, allowing you to feel more confident and relaxed as well.

5. Be passionate and engaging

When creating your presentation, craft it in such a way that makes your audience curious and makes them have questions for you. A persuasive presentation is the best way to get the positive reactions you are looking for, so be as passionate as you can be about your subject matter to seal the deal. 

Remember that questions and comments during your presentation are a good thing, especially if you’re the one prompting them! 

The more excited you are to present your ideas and show off your expertise, the more excited and engaged your audience will be. Own your subject matter and know what you’re talking about, it’s one of the most important presentation skills to have.

6. Maintain eye contact with your audience

This is a very obvious tip that will go a long way with your audience. 

When the people you’re speaking to feel like you’re taking notice of them, they are much more likely to take notice of you and pay better attention to everything that you’re saying. 

It’s important to remember that losing eye contact and looking everywhere but at the people that you’re presenting to is a common nervous behavior. Pay extra close attention to whether or not you’re guilty of that, and work to ensure you have your eyes on at least one person.

7. Obsess over your listeners

Be receptive to your listeners. You can’t forget that what you’re presenting is for the audience, and it has nothing to do about you! 

Focus on the value you can provide to the people in the room. The more serving you are to them, the greater chance you have at driving your point home and nailing your presentation. 

It’s also important not to forget about those listening to you remotely over video conferencing . Make sure they know you’re aware of them and engage them as well! 

8. Focus on confident body language

Smiling, hand gestures, eye contact, and a powerful stance all exude confidence. 

If you don’t have strong body language and are showing physical signs of nervousness (ie. tapping, bouncing, shaking, darting eyes, and more) your audience will have a hard time focusing on the material you’re presenting and hone in on the fact that you’re nervous and probably don’t know what you’re talking about as much as you say you do.

No matter how nervous you are, take a deep breath and pretend otherwise. You might actually start to believe it!

9. Keep it as short as possible

Every single person’s time is valuable ( especially at work), so don’t waste precious meeting time. If you can say everything you need to in half of the time that is allotted, you should do so. 

Ensure that you’re only sharing the most important information. All of the extra fluff will bore your audience and you will lose their attention very quickly.

It’s a great idea to wrap up your presentation with key takeaways and action items. Doing so will ensure that no matter how quickly your meeting ended, your team understands their next steps. You can send out a quick, summarizing slide deck or an easy to read one-pager for their reference later. These visuals will make sure all of your bases are covered and that everyone is on the same page upon leaving the meeting.

How to Prepare for a Presentation, with Examples

This guide covers everything you need to know to prepare for your presentation. including what you need to think about beforehand, during and after the presentation.

1. Rehearse, rehearse, rehearse (always aloud)

Once you have your presentation worked out, you will need to practice it, but even though you might think it’s the best way to have a flawless presentation, don’t memorise what you’re going to say.

That might sound like incredibly bad advice, but here’s why:

  • If you memorise your speech, you’ll get stuck in thinking you can only deliver your ideas in that way, and that stifles your creativity, and the chance for new thoughts and ways to put things that come up as you speak.

Not only that, but every  audience is different . Sometimes they laugh out loud, sometimes they sit and smile, and you never know which type of audience you’ll have until you’re live.

If you’re going off a memorised presentation, it’s much more difficult to break away from that to go with the flow on the day, and respond naturally to your audience.

  • If you forget your speech in the middle of it, you will be thrown, and you’ll have more chance of complete brain freeze, which really will knock your confidence.
  • Memorising your presentation gives you a false sense of security, which could leave you high and dry if something goes wrong. If you’ve only got your memorised speech, for example, what will you do if your PowerPoint freezes or your props break, and you can’t do what you were going to do?

Rehearse in front of colleagues, friends, a mirror, in virtual reality – always aloud. Make sure you spend plenty of time practising your presentation, it will make you feel much more relaxed if you know your material.

2. Memorise your opening line

Do, however, memorise your opening line. If you know how you’re going to begin, you’ll get a strong start and that will build your confidence.

Many speakers and stage actors find that the minute they’ve actually delivered their first line, the nerves are gone and they’re well into their stride.

3. Practise your speech from written notes

Writing your presentation out in your own handwriting will help you clarify your ideas and may well bring you new ones.

4. Practise presentation flow

As well as practising for the ideas and what you want to say, practise how you want your presentation to flow. Think of it almost as a symphony, with high points, slow movements and crescendos. If it’s important, think about how you want your audience to feel, what emotions you want them to have, and when.

5. The power of silence

Don’t be afraid to pause and use the power of silence. A good pause can have a huge emotional impact. It allows people to really absorb what you are saying and react, and it’s vital to pause if you’re using humour so that the next part of your presentation doesn’t get lost underneath people’s laughter.

6. Have a backup

There’s nothing worse than the projector dying or finding that your laptop won’t communicate with the projector for some reason. If you know you have a backup, even if it’s only a pre-prepared flip chart, you’ll feel better, and you’ll be more confident.

7. Arrive early

Following on from that, arrive at least half an hour early so you aren’t feeling rushed, and so you have time to check your equipment and get your notes laid out ready to go. That gives you time to breathe and relax before you go on, knowing everything is as set as it can be.

8. Use physical props for a demo

Use physical props, if possible, for a demo. This can make you stand out and be more memorable among all the other speakers who only use PowerPoint, and it can add greatly to the impact of your presentation.

9. Structure your presentation

First, find out how much time you have to present, is it 10 minutes, 15, an hour? Prepare enough material for this time and have a couple of extra slides as backup – we tend to speak much quicker when nervous so you might find you finish your presentation too early. At some large conference events, timings may change on the day, be aware of this have a shorter version of your presentation in mind (i.e. know which slides to skip over).

10. Prepare for questions

Have a few backup slides for questions you think will arise from your presentation. It is sometime a tactic to explain a section briefly in your speech, so that you get a question about it afterwards. If you don’t understand the question, ask for it to be rephrased.

If there are no questions, it is not an indication how good or bad your presentation was. You many have explain your material extremely well, or simply that people are tired at the end of the day and want to go home.

11. Prepare for where you are presenting

If you can, go to the room you are speaking in before the actual event. It gives you an idea of furniture layout, podium height, location, room size, audience size and lighting. You can then visualise the room while practising and avoid the shock of suddenly being faced with a huge room when you expected a tiny one.

Ask the organiser if you need any particular props, for example a table to help with your live demo.

Additional planning to think about before your presentation:

1. Purpose  – what outcome are we trying to achieve? How can results be measured? What will success look like?

2. Topic  – Novelty? Complexity? Technical?

3. People  – Who should attend? What do they already know? How are they going to help?

4. Timing  – When will it happen and how long will the presentation take?

5. Location  – Where will the presentation be held? Do you have access to the correct facilities for the presentation?

6. Papers  – Who is keeping minutes? Do you need to send out an agenda before the presentation? Background information required?

7. Visual aids  – Is a  projector required ? Boards?

8. Style  – Structure or unstructured, discussion style? How assertive should you be? How should the meeting items be organised?

12. Choose the signals to give to your audience

Before the presentation, think about these 5 topics:

Do you know whether you are a good presenter or not? If you do, chances are it's because people have told you so - they've given you feedback. Getting other's opinions about your performance is something that's important for most aspects in life, especially professionally. However, today we're focusing on a specific aspect, which is (as you may have guessed from the title): presentations.

The importance of feedback

Take a minute to think about the first presentation you've given: what was it like? Was it perfect? Probably not. Practise makes perfect, and nobody does everything right in the beginning. Even if you're a natural at speaking and presenting, there is usually something to improve and to work on. And this is where feedback comes in - because how are you going to know what it is that you should improve? You can and should of course assess yourself after each and every presentation you give, as that is an important part of learning and improvement. The problem is that you yourself are not aware of all the things that you do well (or wrong) during your presentation. But your audience is! And that's why you should get audience feedback.

Qualities of good Feedback

Before we get into the different ways of how you can get feedback from your audience, let's briefly discuss what makes good feedback. P.S.: These do not just apply for presentations, but for any kind of feedback.

  • Good feedback is constructive, not destructive. The person receiving feedback should feel empowered and inspired to work on their skills, not discouraged. You can of course criticize on an objective level, but mean and insulting comments have to be kept to yourself.
  • Good feedback involves saying bot what has to be improved (if there is anything) and what is already good (there is almost always something!)
  • After receiving good feedback, the recipient is aware of the steps he can and should take in order to improve.

Ways of receiving / giving Feedback after a Presentation

Let's start with a classic: the feedback / evaluation sheet. It contains several questions, these can be either open (aka "What did you like about the presentation?") or answered on a scale (e.g. from "strongly disagree" to "strongly agree"). The second question format makes a lot of sense if you have a large audience, and it also makes it easy to get an overview of the results. That's why in our feedback forms (which you can download at the end of this post), you'll find mainly statements with scales. This has been a proven way for getting and giving valuable feedback efficiently for years. We do like the feedback form a lot, though you have to be aware that you'll need to invest some time to prepare, count up and analyse.

  • ask specifically what you want to ask
  • good overview of the results
  • anonymous (people are likely to be more honest)
  • easy to access: you can just download a feedback sheet online (ours, for example, which you'll find at the end of this blog post!)
  • analysing the results can be time-consuming
  • you have to print out the sheets, it takes preparation

3. Verbal Feedback

"So, how did you like the presentation?", asks the lecturer. A few people in the audience nod friendly, one or two might even say something about how the slides were nice and the content interesting. Getting verbal feedback is hard, especially in big groups. If you really want to analyse and improve your presentation habits and skills, we recommend using one of the other methods. However, if you have no internet connection and forgot to bring your feedback sheets, asking for verbal feedback is still better than nothing.

  • no way to save the feedback (except for your memory)

Feedback to yourself - Self Assessment

I've mentioned before that it is incredibly important to not only let others tell you what went well and what didn't in your presentation. Your own impressions are of huge value, too. After each presentation you give, ask yourself the following questions (or better yet, write your answers down!):

  • What went wrong (in my opinion)? What can I do in order to avoid this from happening next time?
  • What went well? What was well received by the audience? What should I do more of?
  • How was I feeling during this presentation? (Nervous? Confident? ...)

Tip: If you really want to actively work on your presentation skills, filming yourself while presenting and analysing the video after is a great way to go. You'll get a different view on the way you talk, move, and come across.

We’re all learning as we go. 

And that’s perfectly OK — that’s part of being human. On my own personal growth journey, I know I need to get better at public speaking and presenting. It’s one of those things that doesn’t necessarily come naturally to me. 

And I know there are plenty of people in my shoes. So when it comes to presenting in the workplace, it can be intimidating. But there’s one thing that can help people continue to get better at presentations: feedback . 

The following examples not only relate to presentations. They can also be helpful for public speaking and captivating your audience. 

You’re doing great 

  • You really have the natural ability to hand out presentation material in a very organized way! Good job!
  • Your presentations are often compelling and visually stunning. You really know how to effectively captivate the audience. Well done!
  • You often allow your colleagues to make presentations on your behalf. This is a great learning opportunity for them and they often thrive at the challenge.
  • Keeping presentations focused on key agenda items can be tough, but you’re really good at it. You effectively outline exactly what it is that you will be discussing and you make sure you keep to it. Well done!!
  • You created downloadable visual presentations and bound them for the client. Excellent way to portray the company! Well done!
  • Your content was relevant and your format was visually appealing and easy to follow and understand. Great job! You’re a real designer at heart!

You should think of improving 

  • You’re a great presenter in certain situations, but you struggle to present in others. Try to be more consistent when presenting so that you get one single-minded message across. This will also help you broaden your presentation skills by being able to portray one single idea or message.
  • You tend to be a little shy when making presentations. You have the self-confidence in one-on-one conversations , so you definitely have the ability to make compelling presentations. Come on! You can do it!
  • During presentations, there seems to be quite a lack of focus . I know it can be difficult to stick to the subject matter, however you need to in order for people to understand what the presentation is about and what is trying to be achieved.
  • To engage with your audience and make them attentively listen to what you have to say, you need to be able to use your voice in an effective manner to achieve this. Try to focus on certain words that require extra attention and emphasis these words during your presentation.
  • Knowing your audience is critical to the success of any presentation. Learn to pick up on their body language and social cues to gauge your style and tone. Listen to what your audience has to say and adjust your presentation accordingly.

  • During presentations, it’s expected that there will be tough questions . Try to prepare at least a couple of days before the time so that you can handle these questions in an effective manner.
  • To be an effective presenter you need to be able to adjust to varying audiences and circumstances. Try learning about who will be in the room at the time of the presentation and adjust accordingly.
  • Remember not to take debate as a personal attack. You tend to lose your cool a little too often, which hinders the discussion and people feel alienated. You can disagree without conflict .
  • The only way you are going to get better at public speaking is by practicing, practicing, practicing. Learn your speech by heart, practice in the mirror, practice in front of the mirror. Eventually, you’ll become a natural and you won't be afraid of public speaking any longer.
  • Your presentations are beautiful and I have no doubt you have strong presentation software skills. However, your content tends to be a bit weak and often you lack the substance. Without important content, the presentation is empty.

Tips to improve 

  • Remember it’s always good to present about the things you are passionate about . When you speak to people about your passions they can sense it. The same goes for presentations. Identify what it is that excites you and somehow bring it into every presentation. it’ll make it easier to present and your audience will feel the energy you portray.
  • Sometimes it can be easier to plan with the end result in mind. Try visualizing what it is you are exactly expecting your audience to come away with and develop your presentation around that.
  • Simplicity is a beautiful thing. Try to keep your presentations as simple as possible. Make it visually appealing with the least amount of words possible. Try interactive pictures and videos to fully immerse your audience in the presentation.
  • It’s a fine balance between winging the presentation and memorizing the presentation. If you wing it too much it may come across as if you didn't prepare. If you memorize it, the presentation may come off a bit robotic. Try to find the sweet spot, if you can.
  • When presenting, try to present in a way that is cause for curiosity . Make people interested in what you have to say to really captivate them. Have a look at some TED talks to get some tips on how you can go about doing this.
  • Remember presentations should be about quality, not quantity. Presentations that are text-heavy and go on for longer than they should bore your audience and people are less likely to remember them.
  • Try to arrive at every staff meeting on time and always be well prepared. This will ensure that meetings will go smoothly in the future.
  • Remember to respect other people's time by always arriving on time or five minutes before the presentation.
  • Remember to ask the others in the meeting for their point of view if there are individuals during presentations.
  • If you notice presentations are deviating off-topic, try to steer it back to the important topic being discussed.

Presentation feedback can be intimidating. It’s likely the presenter has spent a good deal of time and energy on creating the presentation.

As an audience member, you can hone in on a few aspects of the presentation to help frame your feedback. If it's an oral presentation, you should consider also audience attention and visual aids.

It’s important to keep in mind three key aspects of the presentation when giving feedback.

Communication

  • Were the key messages clear? 
  • Was the speaker clear and concise in their language?
  • Did the presenter clearly communicate the key objectives? 
  • Did the presenter give the audience clear takeaways? 
  • How well did the presenter’s voice carry in the presentation space? 

Delivery 

  • Was the presentation engaging? 
  • How well did the presenter capture their audience? 
  • Did the presenter engage employees in fun or innovative ways? 
  • How interactive was the presentation? 
  • How approachable did the presenter appear? 
  • Was the presentation accessible to all? 

Body language and presence 

  • How did the presenter carry themselves? 
  • Did the presenter make eye contact with the audience? 
  • How confident did the presenter appear based on nonverbal communication? 
  • Were there any nonverbal distractions to the presentation? (i.e. too many hand gestures, facial expressions, etc.)  

There are plenty of benefits of feedback . But giving effective feedback isn’t an easy task. Here are some tips for giving effective feedback. 

1. Prepare what you’d like to say 

I’m willing to bet we’ve all felt like we’ve put our foot in our mouth at one point or another. Knee-jerk, emotional reactions are rarely helpful. In fact, they can do quite the opposite of help. 

Make sure you prepare thoughtfully. Think through what feedback would be most impactful and helpful for the recipient. How will you word certain phrases? What’s most important to communicate? What feedback isn’t helpful to the recipient? 

You can always do practice runs with your coach. Your coach will serve as a guide and consultant. You can practice how you’ll give feedback and get feedback … on your feedback. Sounds like a big loop, but it can be immensely helpful. 

2. Be direct and clear (but lead with empathy) 

Have you ever received feedback from someone where you’re not quite sure what they’re trying to say? Me, too. 

I’ve been in roundabout conversations where I walk away even more confused than I was before. This is where clear, direct, and concise communication comes into play. 

Be clear and direct in your message. But still, lead with empathy and kindness . Feedback doesn’t need to be harsh or cruel. If it’s coming from a place of care, the recipient should feel that care from you. 

3. Create dialogue (and listen carefully) 

Feedback is never a one-way street. Without the opportunity for dialogue, you’re already shutting down and not listening to the other person. Make sure you’re creating space for dialogue and active listening . Invite questions — or, even better, feedback. You should make the person feel safe, secure, and trusted . You should also make sure the person feels heard and valued. 

Your point of view is just that: it's one perspective. Invite team members to share their perspectives, including positive feedback . 

You might also offer the recipient the opportunity for self-evaluation . By doing a self-evaluation, you can reflect on things like communication skills and confidence. They might come to some of the same important points you did — all on their own.

Now, let’s go practice that feedback 

We're all learners in life.

It's OK to not be perfect . In fact, we shouldn't be. We're perfectly imperfect human beings, constantly learning , evolving, and bettering ourselves. 

The same goes for tough things like presentations. You might be working on perfecting your students' presentation. Or you might want to get better at capturing your audience's attention. No matter what, feedback is critical to that learning journey . 

Even a good presentation has the opportunity for improvement . Don't forget the role a coach can play in your feedback journey.

Your coach will be able to provide a unique point of view to help you better communicate key points. Your coach can also help with things like performance reviews , presentation evaluations, and even how to communicate with others.

How you look and sound during a speech or presentation are going to make a big impression on your audience. Within seconds, listeners will decide whether you are trustworthy, and they will do it based on your body language and vocal attributes. The good news is that there is plenty of hard evidence that explains how you can give the appearance of confidence and competence — even if you’re nervous or timid on the inside. To look confident, make eye contact, keep an open posture, and use gestures to emphasize your message. To sound confident, eliminate filler words, take time to pause before important messages, and vary your pace.

Enjoy it or not, presenting – in some form – is usually a part of business. Whether you get up in front of formal audiences on a regular basis, or you simply have to make your voice heard in a meeting, you're using presentation skills.

Many believe that good presenters are born, not made. This is simply not true . Sure, some people are more relaxed and comfortable speaking in front of others – but everyone can learn the skills and techniques they need to increase their level of confidence and performance when presenting.

From sales pitches to training lectures, good presentation and public speaking skills are key to many influential roles in today's business world. The good news about presenting is that you can improve with practice.

Becoming a Better Presenter

Effective presentations are a mixture of a variety of elements. You have to know what your audience wants. You need to prepare good, interesting, engaging content. You must be confident in presenting the material, you have to know how to manage your environment successfully, and you need to make sure that your message has maximum impact.

Balancing all four elements is no easy task. And, when combined with the natural anxiety often felt before giving presentations, it's no wonder that many people struggle with this skill. In fact, fear of public speaking is extremely common.

However, you don't have to remain fearful and stressed by the thought of giving a presentation. With the right tools and material, along with planning and preparation, you can present with energy and confidence.

Let's now look in detail at those four key elements of effective presentations:

  • Understanding your audience.
  • Preparing your content.
  • Delivering confidently.
  • Controlling the environment.

Understanding Your Audience

(Questions 2, 5, 9)

The success of most presentations is generally judged on how the audience responds. You may think you did a great job, but unless your audience agrees with you, that may not be the case. Before you even begin putting your PowerPoint slides together, the first thing you need to do is understand what your audience wants. Try following these three steps:

Determine who the members of the audience are.

Find out what they want and expect from your presentation. What do they need to learn? Do they have entrenched attitudes or interests that you need to respect? And what do they already know that you don't have to repeat?

Create an outline for your presentation, and ask for advance feedback on your proposed content.

When what you say is what your audience wants or needs to hear, then you'll probably receive positive reinforcement throughout your presentation. If you see nods and smiles, or hear murmurs of agreement, for example, then this will motivate you to keep going and do a great job.

When your audience is satisfied, it doesn't matter if your delivery wasn't absolutely perfect. The primary goal of the people listening to your presentation is to get the information they need. When that happens, you've done a good job. Of course, you want to do a great job, not just a good job – and that's where the rest of the tips can help.

Preparing Your Content

(Questions 6, 11, 13, 14)

The only way to satisfy your audience's needs and expectations is to deliver the content they want. That means understanding what to present, and how to present it. Bear in mind that if you give the right information in the wrong sequence, this may leave the audience confused, frustrated, or bored.

If you provide the information in a well-structured format, and you include various techniques to keep the audience engaged and interested, then they'll probably remember what you said – and they'll remember you.

There are a variety of ways to structure your content, depending on the type of presentation you'll give. Here are some principles that you can apply:

Identify a few key points -  To help the audience retain the messages you're giving them, use the chunking principle to organize your information into five to seven key points.

Don't include every detail -  Good presentations inspire the audience to learn more, and ask further statements to maximize their understanding of the issue.

Use an outline -  At the beginning, tell your audience what you intend to cover, and let them know what to expect. This helps build anticipation and interest from the start.

Start and end strongly -  Capture people's interest as soon as you begin, and leave them with a message they won't forget. It's tempting to put all of your effort into the main body of the presentation. However, if you don't get people's attention at the start, they'll probably lose interest, and not really hear the rest anyway.

Use examples -  Where possible, use lots of examples to support your points. A lecture is often the least interesting and engaging form of presentation. Look for ways to liven things up by telling stories, talking about real-life examples, and using metaphors to engage your audience fully.

A special type of presentation is one that seeks to persuade. Monroe's Motivated Sequence , consisting of five steps, gives you a framework for developing content for this kind of presentation:

1. Get the attention of your audience - Use an interesting 'hook' or opening point, like a shocking statistic. Be provocative and stimulating, not boring or calm.

2. Create a need - Convince the audience there's a problem, explain how it affects them – and persuade them that things need to change.

3. Define your solution - Explain what you think needs to be done.

4. Describe a detailed picture of success (or failure) - Give the audience a vision; something they can see, hear, taste, and touch.

5. Ask the audience to do something right away - Get the audience involved right from the start. Then it's usually much easier to keep them engaged and active in your cause.

To brush up on your skills of persuasion, look at The Rhetorical Triangle . This tool asks you to consider your communication from three perspectives: those of the writer, the audience, and the context. It's a method that builds credibility and ensures that your arguments are logical.

Delivering Confidently

(Questions 1, 4, 7, 10)

Even the best content can be ineffective if your presentation style contradicts or detracts from your message. Many people are nervous when they present, so this will probably affect their delivery. But it's the major distractions that you want to avoid. As you build confidence, you can gradually eliminate the small and unconstructive habits you may have. These tips may help you:

Practice to build confidence – Some people think that if you practice too much, your speech will sound rehearsed and less genuine. Don't necessarily memorize your presentation, but be so familiar with the content that you're able to speak fluently and comfortably, and adjust as necessary.

Be flexible – This is easier to do if you're comfortable with the material. Don't attempt to present something you just learned the previous night. You want to know your material well enough to answer statements. And, if you don't know something, just admit it, and commit to finding the answer.

Welcome statements from the audience – This is a sign that a presenter knows what he or she is talking about. It builds audience confidence, and people are much more likely to trust what you say, and respect your message.

Use slides and other visual aids – These can help you deliver a confident presentation. The key point here is to learn how much visual information to give the audience, and yet not distract them from what you're saying.

Keep your visuals simple and brief – Don't use too many pictures, charts, or graphs. Your slides should summarize or draw attention to one or two items each. And don't try to fit your whole presentation onto your slides. If the slides cover every single detail, then you've probably put too much information on them. Slides should give the overall message, and then the audience should know where to look for supporting evidence. Manage your stress – Confidence has a lot to do with managing your stress levels. If you feel particularly nervous and anxious, then those emotions will probably show. They're such strong feelings that you can easily become overwhelmed, which can affect your ability to perform effectively. A little nervousness is useful because it can build energy. But that energy may quickly turn negative if nerves build to the point where you can't control them.

If you have anxiety before a presentation, try some of these stress management tools:

Use physical relaxation techniques , like deep breathing and visualization, to calm your body and ease your tension.

Use imagery to help keep calm, and visualize yourself delivering a successful presentation.

Learn strategies to build your self-confidence in general. The more assured you are about yourself and your abilities, the better you'll feel when you get up in front of people, and say what you want to say.

When you present with confidence and authority, your audience will likely pay attention and react to you as someone who's worth listening to. So "pretend" if you need to, by turning your nervousness into creative and enthusiastic energy.

Controlling the Environment

(Questions 3, 4, 8, 12)

While much of the outside environment is beyond your control, there are still some things you can do to reduce potential risks to your presentation.

Practice in the presentation room – This forces you to become familiar with the room and the equipment. It will not only build your confidence, but also help you identify sources of risk. Do you have trouble accessing your PowerPoint file? Does the microphone reach the places you want to walk? Can you move the podium? Are there stairs that might cause you to trip? These are the sorts of issues you may discover and resolve by doing one or two practice presentations.

Do your own setup – Don't leave this to other people. Even though you probably want to focus on numerous other details, it's a good idea not to delegate too much of the preparation to others. You need the hands-on experience to make sure nothing disastrous happens at the real event. Test your timing – When you practice, you also improve your chances of keeping to time. You get a good idea how long each part of the presentation will actually take, and this helps you plan how much time you'll have for statements and other audience interactions.

Members of the audience want you to respect their time. If you end your presentation on time or early, this can make a huge, positive impression on them. When speakers go over their allowed time, they may disrupt the whole schedule of the event and/or cause the audience unnecessary inconvenience. Be considerate, and stick to your agenda as closely as possible.

Presenting doesn't have to be scary, or something you seek to avoid. Find opportunities to practice the tips and techniques discussed above, and become more confident in your ability to present your ideas to an audience. We all have something important to say, and sometimes it takes more than a memo or report to communicate it. You owe it to yourself, and your organization, to develop the skills you need to present your ideas clearly, purposefully, engagingly, and confidently.

10 pointers to perfect your presentation

1. Prepare well in advance

If you have an upcoming presentation it’s a good idea to get a head start on it ahead of time for a couple reasons. First of all, the more time you revisit the presentation subject, the more you’ll know about it and be able recall research on the spot. Moreover, if you have any questions or worries about the presentation, you’ll have more time to get a second opinion before you have to present.

2. Practice going through the presentation

Practice makes perfect is definitely a thing. There’s a reason actors rehearse their shows weeks in advance – presentations, both creative and professional, require practice in order to go well. It doesn’t matter how talented or knowledgeable you are.

3. Use visual aids

Having visuals to back up your verbal presentation will reinforce and better explain the information you’re trying to deliver. Strong visuals will also keep your audience engaged and help your audience retain the presentation’s content. In fact, people retain 65% of what they learn when oral and visual information is used in tandem. That percentage drops to 10% when people learn through only oral means, according to the U.S. Department of Labor.

4. Identify your main talking points

Before you get too detailed with any one part of your presentation, it’s a good idea to have a general idea of what you’re going to talk about and where your presentation will start and end. These will be the building blocks for the rest of your presentation prep.

5. Brainstorm what questions may come up and prepare for them

You can cross your fingers, but there’s always the chance you will be put on the spot during your presentation. Anticipating some possible follow-up questions that may be directed your way will help prepare you and at least make you more confident when you’re fielding questions.

6. Know the data well

Take some time to memorize well the figures or information you’ll be relaying. Know how to talk about specifics of the data in different ways, even if it takes a little studying.

7. Use mnemonics

To keep you on track during your presentation, the use of mnemonics can be incredibly useful. Maybe you use a yellow background for your second slide because you’re talking about yields. Because the color of the background starts with “y” it will bring you to the topic or word “yields”, which also starts with y.

8. Consider what equipment you have available to you

The last thing you want to happen the day of the presentation is to realize that you’re computer cord isn’t compatible with the projector equipment. Plan ahead to know what equipment you’ll have access to and plan accordingly.

9. Prepare your body and mind

The last thing you need before a big presentation is to be underslept or malnourished. It’s so important to get a decent night’s sleep before your presentation as well as a good breakfast. Taking a run the evening before you present and stretching in the morning will also help relieve any stress you may feel.

10. Take a moment before you start

There’s nothing like taking a nice long breath before you begin a presentation. Even better if you take that moment to look everyone in the room right in the eyes. It’s a way of inviting them personally to listen to your presentation. Because isn’t that why you spent so much time preparing for it?

For many business people, speaking in front of clients, customers, their bosses or even their own large team is not a skill that comes naturally. So it’s likely that within your organisation, and indeed within your own team, you’ll find varying levels of presenting ability. Without an objective way to assess the presenter skills needed to make a good presentation, convincing someone that presentation coaching could enhance their job performance (benefiting your business), boost their promotion prospects (benefiting their career) and significantly increase their self confidence (benefiting their broader life choices) becomes more challenging.

So, how do you evaluate the presenting skills of your people to find out, objectively, where the skill gaps lie? Well, you work out your presentation skills evaluation criteria and then measure/assess your people against them. 

To help you, in this article we’re sharing the six crucial questions we believe you need to ask to not only make a professional assessment of your people’s presenting skills, but to showcase what makes a great presentation. We use them in our six-point Presenter Skills Assessment checklist ( which we’re giving away as a free download at the end of this blog post ). The answers to these questions will allow you to identify the presenter skills strengths and weaknesses (i.e. skills development opportunities) of anyone in your team or organisation, from the Managing Director down. You can then put presenter skills training or coaching in place so that everyone who needs it can learn the skills to deliver business presentations face-to-face, or online with confidence, impact and purpose.

Read on to discover what makes a great presentation and how to evaluate a presenter using our six-point Presenter Skills Assessment criteria so you can make a professional judgement of your people’s presenting skills.

If you ask most people what makes a great presentation, they will likely comment on tangible things like structure, content, delivery and slides. While these are all critical aspects of a great presentation, a more fundamental and crucial part is often overlooked – understanding your audience .  So, when you watch people in your organisation or team present, look for clues to see whether they really understand their audience and the particular situation they are currently in, such as:

  • Is their content tight, tailored and relevant, or just generic?
  • Is the information pitched at the right level?
  • Is there a clear ‘What’s In It For Them’?
  • Are they using language and terminology that reflects how their audience talk?
  • Have they addressed all of the pain points adequately?
  • Is the audience focused and engaged, or do they seem distracted?

For your people, getting to know their audience, and more importantly, understanding them, should always be the first step in pulling together a presentation. Comprehending the challenges, existing knowledge and level of detail the audience expects lays the foundation of a winning presentation. From there, the content can be structured to get the presenter’s message across in the most persuasive way, and the delivery tuned to best engage those listening.

Flow and structure are both important elements in a presentation as both impact the effectiveness of the message and are essential components in understanding what makes a good presentation and what makes a good speech. When analysing this aspect of your people’s presentations look for a clear, easy to follow agenda, and related narrative, which is logical and persuasive.

Things to look for include:

  • Did the presentation ‘tell a story’ with a clear purpose at the start, defined chapters throughout and a strong close?
  • Were transitions smooth between the ‘chapters’ of the presentation?
  • Were visual aids, handouts or audience involvement techniques used where needed?
  • Were the challenges, solutions and potential risks of any argument defined clearly for the audience?
  • Were the benefits and potential ROI quantified/explained thoroughly?
  • Did the presentation end with a clear destination/call to action or the next steps?

For the message to stick and the audience to walk away with relevant information they are willing to act on, the presentation should flow seamlessly through each part, building momentum and interest along the way. If not, the information can lose impact and the presentation its direction. Then the audience may not feel equipped, inspired or compelled to implement the takeaways.

Connecting with your audience and keeping them engaged throughout can really be the difference between giving a great presentation and one that falls flat. This is no easy feat but is certainly a skill that can be learned. To do it well, your team need a good understanding of the audience (as mentioned above) to ensure the content is on target. Ask yourself, did they cover what’s relevant and leave out what isn’t? 

Delivery is important here too. This includes being able to build a natural rapport with the audience, speaking in a confident, conversational tone, and using expressive vocals, body language and gestures to bring the message to life. On top of this, the slides need to be clear, engaging and add interest to the narrative. Which leads us to point 4…

It’s not uncommon for slides to be used first and foremost as visual prompts for the speaker. While they can be used for this purpose, the first priority of a slide (or any visual aid) should always be to support and strengthen the clarity of the message. For example, in the case of complex topics, slides should be used to visualise data , reinforcing and amplifying your message. This ensures that your slides are used to aid understanding, rather than merely prompting the speaker.

The main problem we see with people’s slides is that they are bloated with information, hard to read, distracting or unclear in their meaning. 

The best slides are visually impactful, with graphics, graphs or images instead of lines and lines of text or bullet points. The last thing you want is your audience to be focused on deciphering the multiple lines of text. Instead your slides should be clear in their message and add reinforcement to the argument or story that is being shared. How true is this of your people’s slides?

Most people find speaking in front of an audience (both small and large) at least a little confronting. However, for some, the nerves and anxiety they feel can distract from their presentation and the impact of their message. If members of your team lack confidence, both in their ideas and in themselves, it will create awkwardness and undermine their credibility and authority. This can crush a presenter and their reputation. 

This is something that you will very easily pick up on, but the good news is that it is definitely an area that can be improved through training and practice. Giving your team the tools and training they need to become more confident and influential presenters can deliver amazing results, which is really rewarding for both the individual and the organisation.

No matter how well a presentation goes, the closing statement can still make or break it. It’s a good idea to include a recap on the main points as well as a clear call to action which outlines what is required to achieve the desired outcome.

In assessing your people’s ability to do this, you can ask the following questions:

  • Did they summarise the key points clearly and concisely?
  • Were the next steps outlined in a way that seems achievable?
  • What was the feeling in the room at the close? Were people inspired, motivated, convinced? Or were they flat, disinterested, not persuaded? 

Closing a presentation with a well-rounded overview and achievable action plan should leave the audience with a sense that they have gained something out of the presentation and have all that they need to take the next steps to overcome their problem or make something happen.

It’s widely accepted that effective communication is a critical skill in business today. On top of this, if you can develop a team of confident presenters, you and they will experience countless opportunities for growth and success.

Once you’ve identified where the skill gaps lie, you can provide targeted training to address it. Whether it’s feeling confident presenting to your leadership team or answering unfielded questions , understanding their strengths and weaknesses in presenting will only boost their presenting skills. This then creates an ideal environment for collaboration and innovation, as each individual is confident to share their ideas. What Went Well is a retrospective technique that serves a crucial role in the agile methodology and has become widely used in the agile community. It is one of the best opportunities for both remote and in-office teams to analyze any potential improvements by asking two (seemingly simple) questions: what went well and what didn’t go so well?

In order to start a What Went Well retrospective, the facilitator in charge should present how the method works. Then, they should tell the team that the total time limit is 30-60 minutes, depending on the size of the team. Before moving further, make sure everyone understands the technique and that they feel comfortable proceeding. 

The next step should not take more than 15 minutes, as you ask all participants to answer the questions “What Went Well?” and “What Didn’t Go Well?”. They should write one idea per sticky note and a record should be kept. At this stage, team members should continue to keep their thoughts private, as it is important for everyone to have their own ideas without being influenced by their peers . Once time is up, all members’ notes are organized by which question was being answered .

The third step should take a maximum of 10 minutes — it’s time for theming . Often, the output notes will be similar in topic or theme. So, during this time, all participants should collaborate to group the notes into appropriate buckets. This is done to save time during the next step and ensure all themes are covered.

If the discussion topics are not obvious, the facilitator can opt for a dot-voting session. This way, each participant receives a number of votes they can allocate based on which subject they deem worthy of prioritization .

The next step is to discuss the topics under each question. Depending on team size, anywhere between 20 to 40 minutes should be allocated. If dot-voting wasn’t used, the order of discussion can be chosen by the facilitator. It is important to frame each subject into a timebox so the conversation can move at a faster pace.

During the discussion, all team members need to keep in mind that they have to present the positive side of what went well, but also come up with ways to improve for future sprints . The purpose is not only to learn how to avoid issues next time, but also to do more of what went well ! 

One of the greatest benefits of this method is that even newcomers can contribute to the discussion. In an agile environment , the team should come back to the What Went Well technique after approximately two weeks to check on their progress.

Part of the What Went Well technique’s beauty is how straightforward it is. That said, there are certain things any team should avoid.

For example, group thinking should not happen at all . The individual’s ideas are much more valuable in this context. This happens rarely, but arguing with your team members should also be avoided! This defeats the purpose of having a fast-paced, open-minded discussion. 

So what can you expect from your What Went Well retrospective?

Depending on the project, there can be a multitude of What Went Well examples, such as: 

We shipped on time with no bugs reported.

The collaboration was great in our paired coding sessions.

User testing was better developed this sprint.

The team had a good time working together.

All members knew what they had to do — and did it!

On the other hand, here are some What Didn’t Go Well examples:

There were unclear responsibilities and roles in the team .

Bottlenecks appeared.

Priorities were not clear and members did not take them into account.

We had to postpone the release date of the product.

User stories changed late in the sprint.

The QA workflow experienced trouble and we had to wait a long time for a review.

What Went Well is best used by teams using agile product workflows. As a reflective exercise, it lends itself perfectly to sprint retrospectives. The What Went Well framework can also lend itself to various situations, even outside of product management ! 

The What Went Well framework helps us review our work with little to no emotional bias entering the conversation. It simply focuses on objective outcomes that can be measured to demonstrate success. This is vital during retrospectives as the conversation needs to focus on tangible wins and losses during development. 

If your team opts to bypass sprint retrospectives and simply hold a post-mortem retrospective at the end of the project, the What Went Well framework is essential to ensure you learn as much as you can from the project. 

Finally, the What Went Well framework can be used as a lightweight retrospective. This is useful for busy teams or when a project is falling behind schedule. It gets down to brass tacks and identifies whatever issues are holding the team back.

The What Went Well framework offers product teams a vast range of benefits when running an informative retrospective. Here are just a few:

Focusing on positive outcomes can help build momentum and enthusiasm for future projects.

It can help identify best practices and success factors that can be replicated in future work.

Celebrating wins can help boost team morale and foster a positive team culture.

It is a simple and easy exercise to conduct, requiring minimal preparation or resources.

As with any retrospective exercise, it is important to know the potential biases or blind spots that may arise and to encourage an open and constructive environment for sharing feedback and insights . Here are a few cons with What Went Well:

Groupthink can be a potential issue, where team members may feel uncomfortable sharing their individual experiences or perspectives.

People may not agree on what went well, leading to disagreements or frustration.

Focusing exclusively on positive outcomes may overlook valuable learning opportunities and blind spots in the team's performance.

The exercise can become repetitive or superficial if not conducted with clear goals or specific outcomes in mind.

The What Went Well framework is traditionally made up of three sections. However, we recommend adding an extra section that allows for questions from the team. This additional section will ensure everyone walks away from the conversation with complete clarity for future projects.

Here’s what your What Went Well session should look like: 

Step 1: What went well

Describe the positive outcomes, achievements, or progress made during the project or period.

Provide specific examples and quantify the results if possible.

Explain why these things went well and how they contributed to success.

Step 2: What didn't go well

Identify the challenges, setbacks, or failures encountered during the project or period.

Provide specific examples and describe the impact of these issues.

Explain why these things didn't go well and what could have been done differently to avoid or mitigate them.

Step 3: What to improve

Based on the successes and challenges identified above, list the areas that could be improved or optimized in future projects or periods.

Provide specific recommendations and actionable steps for addressing these areas.

Explain how these improvements could contribute to better outcomes and results.

Step 4: Questions we have

List any outstanding questions or uncertainties that must be addressed before moving forward.

Explain why these questions are essential and what information or actions are needed to resolve them.
