What's new in PowerPoint 2021 for Windows

PowerPoint 2021 for Windows lets you create compelling content with the addition of features including co-authoring, Ink Replay, improved slide show recording, new stock media from the Office Premium Creative Content collection and new Draw tab additions such as Point Eraser, Ruler, and Lasso.

If you're upgrading to PowerPoint 2021 for Windows from PowerPoint 2019 for Windows, you'll still have all the features you're used to—and you'll notice a few new ones as well!

Note:  Some features listed below are not included in PowerPoint LTSC 2021 for commercial customers. Each of those features is noted if it does not apply to PowerPoint LTSC 2021 for commercial customers.

Co-authoring

You and your colleagues can open and work on the same PowerPoint presentation. This is called co-authoring. When you co-author, you can see each other's changes quickly — in a matter of seconds.

Note : Co-authoring is not available in PowerPoint LTSC 2021.

Prezi turns the traditional approach to presentations on its head. Instead of creating slide after slide, this presentation software gives you a single giant canvas. You can add blocks of text or images, or even create miniature slides. During your presentation, you can seamlessly fly around the canvas and zoom in to look at individual chunks of content.

For how complex Prezi seems, it’s impressively simple to use the platform. The only major divergence from Microsoft PowerPoint is that you need to add animated paths from one part of the canvas to another. The tools for this are fairly straightforward, especially if you’ve ever used an animation or video editing software.

Of course, this type of presentation structure isn’t always ideal. Prezi makes it hard to visualize structured data like financials, which can make it difficult to use in business applications. Some viewers also might not appreciate the fly-around animation style that’s inherent to the presentation software.

There isn’t a huge variety of content elements to add to your presentation, but Canva makes up for this with a searchable library of more than 1 million images you can use.

Your Canva presentations live online, which makes it extremely easy to collaborate. You can invite colleagues to edit your slideshow (although simultaneous editing is not supported) or seamlessly share your finished presentation. However, beware that Canva can’t import presentations from Microsoft Powerpoint or export finished work to a Powerpoint-editable format.

The only big difference you’ll find between the two slideshow creation tools is the LibreOffice lacks some modern features like built-in collaboration and integration with Microsoft OneDrive.

However, Impress does have a few advantages of its own. The software can import files from Keynote, the default presentation software on Mac computers. Plus, there are hundreds of free templates that you can download for free. Even better, there’s no limit on what fonts you can use with Impress, so it’s easy to change the look of your presentation from what Powerpoint typically allows.

On the whole, LibreOffice Impress is about as close as it gets to simply replicating Microsoft Powerpoint for free.

4. Google Slides

Google Slides is part of Google Workspace (formerly G Suite), and it does a nice job of matching a number of PowerPoint’s capabilities. This free presentation software supports embedding videos, creating diagrams, and adding animations to your slides. While the selection of templates is somewhat limited, you can easily import hundreds of additional templates for free or create your own.

Even better, Google Slides supports the collaboration tools users have come to expect from Google. Multiple people can work on a slideshow simultaneously, and there’s a built-in group chat so you can keep track of what everyone is doing. It’s also nice that you can play your presentation in presenter mode, which allows you to preview how it will look to your audience and rehearse timing.

The only downside to Google Slides is that bloated slideshows can experience some loading delays. Also beware that while you can move between Slides and Powerpoint, the conversion often messes with the layout of your slides.

5. WPS Office Free

WPS Office Free is a Microsoft Office look-alike that fully support PowerPoint files without any layout issues during import. The WPS Presentation tool has all of the same capabilities of PowerPoint, including tons of animations, slide transitions, content effects, and video embedding. The selection of included presentation templates is also very impressive for a free software.

One of the best things about this presentation software is that the user interface will feel incredibly familiar if you’re coming from Microsoft. All of the tools are displayed in a top ribbon, with your slides shown on the left side of the screen for easy navigation. It’s simple to display your presentation right from WPS Presentation, which means there’s no unexpected troubleshooting when it’s time to show off your work.

There’s not much to dislike about WPS Presentation. However, keep in mind that the software is supported by ads. Some users find the ads annoying, but they’re not overly in the way.

The paid service offers unique features to Microsoft users, provides faster and more consistent AI performance with priority access to the GPT-4 and GPT-4 Turbo large language models (LLM) during peak times, and also brings the AI technology to the brand’s most popular PC applications — and that’s where things get really interesting.

One of the most interesting features of Copilot Pro is that you can build your own custom GPT within the AI service, meaning you can create and edit a unique chatbot to do your bidding. You can create your chatbot as a personal trainer, a chef, a language tutor, a language adviser, or a career coach, among many other personalized ideas. You can do so by accessing the Microsoft Copilot GPT Builder at copilot.microsoft.com and signing in using your Microsoft account (such as outlook.com).

Follow the setup steps included there to get started building your custom GPT. Because it is a GPT environment, you essentially need only to input the text parameters of your chatbot to begin training it. There are also instructions on how to edit the GPT, if needed. For the best results, complete the steps in the Microsoft Edge browser.

Because Copilot Pro is a paid service, it benefits from OpenAI’s latest DALL-E 3 image model, which can generate images from more elaborate text descriptions or generate from other images. It also has upgraded editing abilities. Much of the image generation for the brand’s AI subscription service takes place within the Microsoft Designer tool.

Within Copilot Pro, you can generate up to 100 images per day and have the option to create images in either landscape or square. This is a massive upgrade in comparison to the free version, which allows 15 generations per day and square images only.

A very fascinating part of Microsoft’s Copilot Pro is you can use the brand’s AI service in conjunction with other popular programs, such as the Microsoft 365 suite. The Copilot Pro chatbot and icon are integrated into all of these apps, including Word, Excel, PowerPoint, OneNote, and Outlook. Typically, you must have a separate Microsoft 365 subscription to access Microsoft Copilot Pro features in tandem with the apps of that service on PCs. However, to access the features without having to invest in a Microsoft 365 subscription, you can use Microsoft 365 apps through the web apps at no extra cost.

Creating presentations in Microsoft PowerPoint is a popular productivity option in the Microsoft 365 suite. Adding Copilot Pro makes the function as simple as typing a sentence. Once you’re in PowerPoint, you go to the Home tab to open the drop-down menu. This reveals the Copilot button in the upper-right corner. Click it to open the Copilot menu on the right side of the PowerPoint window.

Click Create a Presentation, type your prompt, and it will begin to generate the slides of your presentation. You can add a slide, ask questions prompts, and edit the text of your prompt to improve your presentation. You also have access to the Microsoft Designer tab in the drop-down menu, which gives you creative options for your slide within PowerPoint, since you can’t use prompts to make creative edits within Copilot. There is also the Copilot Labs section for generating ideas.

Excel is an extremely useful app for professionals who need to crunch numbers and simplify statistics. Copilot Pro can calculate, analyze, and present your figures and graphs in a manner that is easy to decipher. Once in Excel, you can access the Copilot button in the upper-right corner of the drop-down menu. If you are using Excel online, you may see a notice that says it only works with Excel table, but all of the AI functionalities are actually still intact.

If you have a file with some figures, you can highlight some text and Copilot Pro will give you some prompt ideas (such as show formula suggestions, highlight filter, sort data, and bold the first column) that you can select and will make up the entirety of your prompt once you’re done. These details will not only be the information but the look and feel of your results.

Select Ask for Insights and Excel will generate the tables and graphs with all of your data laid out. Select another insight or All insights for a more complete look at your information. Alternatively, you can enter a prompt in Copilot Pro with the parameters you desire.

Word is one of the most used apps in the Microsoft 365 suite and Copilot Pro introduces several automated features into the word processors. Before even launching Copilot Pro within Microsoft Pro, you can highlight blocks of text within Word and a Copilot icon will appear on the left of the text, indicating that it can be edited by the chatbot. Right-click the highlighted text with your mouse and you can select the options, rewrite with Copilot, or visualize as a table. It will do those functions in the text area without having to execute a prompt.

You can also access the Copilot button in the upper-right corner of the drop-down menu and use it whether you have a blank document or you’re working with an existing document.

You can type your prompt directly into Copilot Pro to generate whatever result you need, or you can get assistance via a host of assistant tabs and quick options, including write about, ask a question, and summarize this document. Summarize this document, for example, will roll out text in a bullet point format and pull credits from the source document that you can refer back to later. For further assistance in prompt generation, you can select more prompts and access Copilot Labs.

We will be on the ground bright and early on May 20 at Microsoft's headquarters in Seattle to bring you all the announcements. The event will begin at 10 am PT (1 pm ET) and last about an hour.

What are we expecting to see? New Surface hardware is a Surface Pro and Surface Laptop powered by Qualcomm's new Snapdragon X Series chips. Both devices should have updated displays and, on the laptop side, a new keyboard deck with a haptic touchpad.

We're also expecting to see new Windows 11 features, many of which will be tied to Microsoft's AI efforts. A new "AI Explorer" feature will enable several next-generation AI experiences, such as Recall and Snapshots, which will record everything you do on your computer and store it as a memory for you to recall later using natural language.

Recall is able to bring up snapshots based on your specific search criteria. If you're trying to find a dress you were looking at a few days ago in Edge, you can just describe the dress to Recall and it will bring you back to the moment when that dress was on-screen.

Recall includes a timeline interface that lets you scroll back in time depending on whether your search criteria has multiple results.

Everything Recall does is handled locally on the device. Microsoft will not use any of the data it's captured to train its AI models. It's all yours, and nobody elses.

We're now getting another Recall demo, this time with a break down of how the technology works.

There are a number of different models built into Windows 11 to make this happen. These are deeply integrated, not bolted on, Pavan Davuluri says.

There's an incredibly robust approach to privacy. You can pause, stop and delete captured content. You can even filter out specific apps or websites so Recall can't see it.

There are more than 40 AI models here that bring Recall and the Windows Copilot Runtime together.

The Windows Photos app can now understand what it's seeing. It will suggest things to edit based on the photo you have open.

Now getting a demo of Copilot being able to help during gaming. You can ask it for tips and, based on what it can see, will suggest things.

We're now hearing from Intel, AMD, and Qualcomm about how everyone is coming together for Copilot+ PCs.

You can use Cocreator to bring to life a sketch. 

Just as an aside, the new Surface Pro still has that venting gap around the chassis. That means it's using the same chassis as the Surface Pro 9, and not the thinner Surface Pro X chassis.

Groundbreaking advances in AI are having a profound impact on Microsoft and on the developers using our technology to improve efficiency, enhance customer experiences and make new breakthroughs.

Over the past year, we’ve built Microsoft Copilot and released more than 150 updates to it, and we’ve developed the Copilot stack, which takes everything we’ve learned so far and lets developers build their own copilots.

In addition, over the past two years, GitHub Copilot has become the most widely adopted AI developer tool, with 1.8 million paid subscribers.

And just a day ago, we introduced a new category of Copilot+ PCs, the fastest, most AI-ready PCs ever built.

We are the industry leader in AI, and that’s why, as we begin our flagship event for developers, Microsoft Build, there’s one question on everyone’s mind: What’s next?

On Monday, we introduced the world to a new class of Windows PCs , Copilot+ PCs. These devices are designed to allow developers to deliver differentiated AI experiences on the edge, and, together with the great features that we are announcing at Build , make Windows the most open platform for AI and the best place for developers.

At Build, we also are announcing further branches of this technology revolution, including:

  • How Microsoft Fabric is helping developers and customers leverage data in motion, or digital information being transported within or between computer systems, to build intelligent apps.
  • New frontier models that allow developers to explore multimodal capabilities supporting text, images, video and other types of data in their AI applications, evolving beyond text prompts and completions.
  • Partnerships that show how AI can impact the future of myriad industries, including education.
  • And how an open and flexible cloud-based platform, built on a foundation of safe and responsible AI, can help developers innovate.

Microsoft Build is always an exciting time for us. About 200,000 people have registered to join us for three days of technical learning and community connection, with 4,000 attending in person in Seattle. Attendees can choose from more than 300 sessions, demos and expert and instructor-led labs from Microsoft and our partners. For those not able to attend the live event, most content will be available on demand. In total, we are announcing about 60 new products and solutions at the event.

With that introduction to Build in mind, let’s explore some of the news and announcements.

In-the-moment decision making with Real-Time Intelligence

For the most efficient AI apps, businesses need to be able to qualify, analyze and organize data at ingestion. This has proven to be a difficult step. The new Real-Time Intelligence within Microsoft Fabric provides an end-to-end Software as a Service (SaaS) solution that empowers customers to act on high-volume, time-sensitive and highly granular data to make faster and more informed business decisions.

Real-Time Intelligence , now in preview , can be helpful for analysts with simple low/no-code experiences, and it also can benefit pro developers with code-rich user interfaces. For example, racing team Dener Motorsport has been using Microsoft Fabric to support real-time analytics, storage and reporting, enabling them to sustain optimal performance and maintain the cars in good repair, which can keep drivers safer. Dener plans to use Real-Time Intelligence as part of their winning strategy to gain insights at ingestion during races.

Building apps requires a level of flexibility, customization and efficiency to make it feasible for developers. The new Microsoft Fabric Workload Development Kit makes this possible by enabling independent software vendors (ISVs) and developers to extend applications within Fabric, creating a unified user experience.

GitHub Copilot experience leans into extensibility

GitHub is introducing the first set of  GitHub Copilot extensions , developed by Microsoft and third-party partners, in private preview. These additions allow developers and organizations to customize their GitHub Copilot experience with their preferred services like Azure, Docker, Sentry and more directly within GitHub Copilot Chat.

GitHub Copilot for Azure, one of the extensions from Microsoft, showcases how building in natural language with a broader range of capabilities can propel development velocity. Using the extension through Copilot Chat, developers can explore and manage Azure resources, while also troubleshooting issues and locating relevant logs and code.

New frontier models and multimodal capabilities in Azure AI

GPT-4o, OpenAI’s newest flagship model, is now available in Azure AI Studio and as an API. This groundbreaking multimodal model integrates text, image and audio processing to set a new standard for generative and conversational AI experiences.

We also announced that Phi-3-vision , a new multimodal model in the Phi-3 family of AI small language models (SLMs) developed by Microsoft, is now available in Azure. Phi-3 models are powerful, cost-effective and optimized for personal devices. Phi-3-vision offers the ability to input images and text and receive text responses. For example, users can ask questions about a chart or ask an open-ended question about specific images.

Developers can experiment with these state-of-the-art frontier models in the Azure AI Playground, and they can start building with and customizing with the models in Azure AI Studio.

Microsoft, Khan Academy using AI to empower educators

Microsoft and Khan Academy are announcing a multi-faceted partnership to turn the transformative potential of AI into reality.

To start, Microsoft is enabling Khan Academy to offer all K-12 U.S. educators free access to Khanmigo for Teachers, an AI-powered teaching assistant that frees up teachers’ time so they can focus on what matters most – engaging with and supporting their students. Microsoft is donating access to Azure AI-optimized infrastructure to increase the availability of Khanmigo for Teachers, which will now be powered by Azure OpenAI Service.

Khan Academy is collaborating with Microsoft to explore opportunities to improve math tutoring in an affordable, scalable and adaptable manner with a new version of Phi-3, a family of SLMs developed by Microsoft. They also plan to bring more Khan Academy content into Copilot and Teams for Education, expanding resources for learners.

New partnership with Cognition AI

Microsoft and  Cognition   will bring Cognition’s autonomous AI software agent, Devin, to customers to help them with complex tasks such as code migration and modernization projects. As part of the agreement, Devin will be powered by Azure. Cognition AI is an applied AI lab building end-to-end software agents to help developers achieve more.

Powerful new virtual machines help fuel AI adoption

Microsoft has a unique systems approach to AI infrastructure, which includes hardware and software from Microsoft and our partners, all optimized to run AI workloads at scale and fine-tuned for customer needs. We are the first cloud provider to bring AMD’s leading MI300X AI accelerator chip to power customers’ AI training and inferencing needs, with the general availability of the Azure ND MI300X v5 virtual machine series optimized for demanding AI and high-performance computing (HPC) workloads like Azure OpenAI Service.

Following the launch of Azure Cobalt 100, Microsoft’s first custom-designed compute processor, the company is announcing a preview of new Cobalt 100 Arm-based virtual machines (VMs), based on the company’s custom silicon series announced in November 2023. Cobalt 100 Arm-based VMs are the first generation of VMs to feature Microsoft’s new Cobalt processor, custom-built on an Arm architecture, and optimized for efficiency and performance when running general-purpose and cloud-native workloads. Customers can expect up to 40% improved performance compared to comparable Azure VMs.

The evolution of Copilot

Copilot has been a game-changer for many people since it was first released. Using modern AI and large language models (LLMs) like Open AI’s GPT-4, copilots across Microsoft products have assisted people with complex tasks, serving as a personal, behind-the-scenes AI assistant.

Now, we are introducing Team Copilot , the expansion of Copilot for Microsoft 365 from a behind-the-scenes, personal AI assistant to a new, valuable member of your team . You will be able to invoke Copilot where you collaborate – in Teams, Loop, Planner and more. Team Copilot can be a meeting facilitator in meetings, managing the agenda, tracking time and taking notes. It can act as a collaborator in chats by surfacing important information, tracking action items and addressing unresolved issues. It can serve as a project manager to help ensure every project runs smoothly and notify the team when their input is needed. These initial experiences, coming in preview later this year, will enable us to learn, iterate and refine as we enter a new phase of innovation where Copilot begins to take more action on behalf of individuals and teams.

Microsoft Copilot Studio is introducing new agent capabilities, empowering developers to build copilots that can proactively respond to data and events, tailored to specific tasks and functions. Copilots built with this new category of capabilities can now independently manage complex, long-running business processes by leveraging memory and knowledge for context, reason over actions and inputs, learn based on user feedback and ask for help when they encounter situations that they don’t know how to handle. Users can now put Copilot to work for them – from IT device procurement to customer concierge for sales and service.

Copilot extensions , including plugins and connectors, allow customers to enhance Microsoft Copilot by connecting it to new data sources and applications, expanding its functionality.

We’re excited about these announcements and all the other updates and features being unveiled at Build. Microsoft is thrilled to announce the launch of GPT-4o, OpenAI’s new flagship model on Azure AI. This groundbreaking multimodal model integrates text, vision, and audio capabilities, setting a new standard for generative and conversational AI experiences. GPT-4o is available now in Azure OpenAI Service, to try in preview , with support for text and image.
