Just like events planning, or any other activities, writing an effective speech follows certain steps or processes. The process for writing is not chronological or linear ; rather, it is recursive . That means you have the opportunity to repeat a writing procedure indefinitely, or produce multiple

drafts first before you can settle on the right one.

The following are the components of the speech writing process.

• Audience analysis entails looking into the profile of your target audience. This is done so you can tailor-fit your speech content and delivery to your audience. The profile includes the following information.

Q demography (age range, male-female ratio, educational background and affiliations or degree program taken, nationality, economic status, academic or corporate designations)

Q situation (time, venue, occasion, and size)

Q psychology (values, beliefs, attitudes, preferences, cultural and racial ideologies , and needs)

A sample checklist is presented below.

The purpose for writing and delivering the speech can be classified into three — to inform, to entertain, or to persuade .

  • An informative speech provides the audience with a clear understanding of the concept or idea presented by the speaker.
  • An entertainment speech provides the audience with amusement.
  • A persuasive speech provides the audience with well-argued ideas that can influence their own beliefs and decisions.

The topic is your focal point of your speech, which can be determined once you have decided on your purpose. If you are free to decide on a topic, choose one that really interests you. There are a variety of strategies used in selecting a topic, such as using your personal experiences, discussing with your family members or friends, free writing, listing, asking questions, or semantic webbing .

Narrowing down a topic means making your main idea more specific and focused. The strategies in selecting a topic can also be used when you narrow down a topic. In the example below, “Defining and developing effective money management skills of Grade 11 students” is the specific topic out of a general one, which is “ Effective money management.”

Data gathering is the stage where you collect ideas, information, sources, and references relevant or related to your specific topic. This can be done by visiting the library, browsing the web, observing a certain phenomenon or event related to your topic, or conducting an

interview or survey. The data that you will gather will be very useful in making your speech informative, entertaining, or persuasive .

Writing patterns, in general, are structures that will help you organize the ideas related to your topic. Examples are biographical , categorical / topical , causal , chronological , comparison / contrast , problem-solution, and spatial .

The different writing patterns

An outline is a hierarchical list that shows the relationship of your ideas. Experts in public speaking state that once your outline is ready, two-thirds of your speech writing is finished. A good outline helps you see that all the ideas are in line with your main idea or message. The elements of an outline include introduction, body, and conclusion. Write your outline based on how you want your ideas to develop. Below are some of the suggested formats.

The body of the speech provides explanations, examples, or any details that can help you deliver your purpose and explain the main idea of your speech. One major consideration in developing the body of your speech is the focus or central idea. The body of your speech should only have one central idea.

The following are some strategies to highlight your main idea.

  • Present real-life or practical examples
  • Show statistics
  • Present comparisons
  • Share ideas from the experts or practitioners

The introduction is the foundation of your speech. Here, your primary goal is to get the attention of your audience and present the subject or main idea of your speech. Your first few words should do so. The following are some strategies.

  • Use a real-life experience and connect that experience to your subject.
  • Use practical examples and explain their connection to your subject.
  • Start with a familiar or strong quote and then explain what it means.
  • Use facts or statistics and highlight their importance to your subject.
  • Tell a personal story to illustrate your point.

The conclusion restates the main idea of your speech. Furthermore, it provides a summary, emphasizes the message, and calls for action. While the primary goal of the introduction is to get the attention of your audience, the conclusion aims to leave the audience with a memorable statement.

The following are some strategies.

  • Begin your conclusion with a restatement of your message.
  • Use positive examples, encouraging words, or memorable lines from songs or stories familiar to your audience.
  • Ask a question or series of questions that can make your audience reflect or ponder.

Editing/Revising your written speech involves correcting errors in mechanics, such as grammar, punctuation, capitalization, unity, coherence, and others. Andrew Dlugan (2013), an awar di ng public speaker, lists six power principles for speech editing.

  • Edit for focus.

“So, what’s the point? What’s the message of the speech?”

Ensure that everything you have written, from introduction to conclusion, is related to your central message.

  • Edit for clarity.

“I don’t understand the message because the examples or supporting details were confusing.”

Make all ideas in your speech clear by arranging them in logical order (e.g., main idea first then supporting details, or supporting details first then main idea).

  • Edit for concision.

“The speech was all over the place; the speaker kept talking endlessly as if no one was listening to him/her.”

Keep your speech short, simple, and clear by eliminating unrelated stories and sentences and by using simple words.

  • Edit for continuity.

“The speech was too difficult to follow; I was lost in the middle.”

Keep the flow of your presentation smooth by adding transition words and phrases.

  • Edit for variety.

“I didn’t enjoy the speech because it was boring.”

Add spice to your speech by shifting tone and style from formal to conversational and vice-versa, moving around the stage, or adding humor.

  • Edit for impact and beauty.

“There’s nothing really special about the speech.”

Make your speech memorable by using these strategies: surprise the audience, use vivid descriptive images, write well-crafted and memorable lines, and use figures of speech.

Rehearsing gives you an opportunity to identify what works and what does not work for you and for your target audience. Some strategies include reading your speech aloud, recording for your own analysis or for your peers or coaches to give feedback on your delivery. The best

thing to remember at this stage is: “Constant practice makes perfect.”

Some Guidelines in Speech Writing

1. Keep your words short and simple. Your speech is meant to be heard by your audience, not read.

2. Avoid jargon , acronyms, or technical words because they can confuse your audience.

3. Make your speech more personal. Use the personal pronoun “I,” but take care not to overuse it. When you need to emphasize collectiveness with your audience, use the personal pronoun “we.”

4. Use active verbs and contractions because they add to the personal and conversational tone of your speech.

5. Be sensitive of your audience. Be very careful with your language, jokes, and nonverbal cues.

6. Use metaphors and other figures of speech to effectively convey your point.

7. Manage your time well; make sure that the speech falls under the time limit.

How to write a good speech in 7 steps

Did you know writing a speech doesn't have be an anxious, nail biting experience?

Unsure? Don't be.

You may have lived with the idea you were never good with words for a long time. Or perhaps giving speeches at school brought you out in cold sweats.

However learning how to write a speech is relatively straight forward when you learn to write out loud.

And that's the journey I am offering to take you on: step by step.

To learn quickly, go slow

Take all the time you need. This speech format has 7 steps, each building on the next.

Walk, rather than run, your way through all of them. Don't be tempted to rush. Familiarize yourself with the ideas. Try them out.

I know there are well-advertised short cuts and promises of 'write a speech in 5 minutes'. However in reality they only truly work for somebody who already has the basic foundations of speech writing in place.

The foundation of good speech writing 

These steps are the backbone of sound speech preparation. Learn and follow them well at the outset and yes, given more experience and practice you could probably flick something together quickly. Like any skill, the more it's used, the easier it gets.

Step 1: Begin with a speech overview or outline

Are you in a hurry? Without time to read a whole page? Grab ... The Quick How to Write a Speech Checklist And come back to get the details later.

  • WHO you are writing your speech for (your target audience)
  • WHY you are preparing this speech. What's the main purpose of your speech? Is it to inform or tell your audience about something? To teach them a new skill or demonstrate something? To persuade or to entertain? (See 4 types of speeches: informative, demonstrative, persuasive and special occasion or entertaining for more.) What do you want them to think, feel or do as a result of listening the speech?
  • WHAT your speech is going to be about (its topic) - You'll want to have thought through your main points and have ranked them in order of importance. And have sorted the supporting research you need to make those points effectively.
  • HOW much time you have for your speech eg. 3 minutes, 5 minutes... The amount of time you've been allocated dictates how much content you need. Use an outline

The best way to make sure you deliver a perfect speech is to start by carefully completing a speech outline covering the essentials: WHO, WHY, WHAT and HOW.

Beginning to write without thinking your speech through is a bit like heading off on a journey not knowing why you're traveling or where you're going to end up. You can find yourself lost in a deep, dark, murky muddle of ideas very quickly!

Pulling together a speech overview or outline is a much safer option. It's the map you'll follow to get where you want to go.

Understanding speech construction

Before you begin to write, using your completed outline as a guide, let's briefly look at what you're aiming to prepare.

  • an opening or introduction
  • the body where the bulk of the information is given
  • and an ending (or summary).

Imagine your speech as a sandwich

If you think of a speech as a sandwich you'll get the idea.

The opening and ending are the slices of bread holding the filling (the major points or the body of your speech) together.

You can build yourself a simple sandwich with one filling (one big idea) or you could go gourmet and add up to three or, even five. The choice is yours.

But whatever you choose to serve, as a good cook, you need to consider who is going to eat it! And that's your audience.

So let's find out who they are before we do anything else. 

Step 2: Know who you are talking to

Understanding your audience.

Did you know a  good speech is never written from the speaker's point of view?  ( If you need to know more about why check out this page on  building rapport .)

Begin with the most important idea/point on your outline.

Consider HOW you can explain (show, tell) that to your audience in the most effective way for them to easily understand it.   

Writing from the audience's point of view

To help you write from an audience point of view, it's a good idea to identify either a real person or the type of person who is most likely to be listening to you.

Make sure you select someone who represents the "majority" of the people who will be in your audience. That is they are neither struggling to comprehend you at the bottom of your scale or light-years ahead at the top.

Now imagine they are sitting next to you eagerly waiting to hear what you're going to say. Give them a name, for example, Joe, to help make them real.

Ask yourself

  • How do I need to tailor my information to meet Joe's needs? For example, do you tell personal stories to illustrate your main points? Absolutely! Yes. This is a very powerful technique. (Click storytelling in speeches to find out more.)
  • What type or level of language is right for Joe as well as my topic? For example if I use jargon (activity, industry or profession specific vocabulary) will it be understood?

Step 3: Writing as you speak

Writing oral language.

Write down what you want to say about your first main point as if you were talking directly to Joe.

If it helps, say it all out loud before you write it down and/or record it.

Use the information below as a guide

You do not have to write absolutely everything you're going to say down * but you do need to write down, or outline, the sequence of ideas to ensure they are logical and easily followed.

Remember too, to explain or illustrate your point with examples from your research. 

( * Tip: If this is your first speech the safety net of having everything written down could be just what you need. It's easier to recover from a patch of jitters when you have a word by word manuscript than if you have either none, or a bare outline. Your call!)

Step 4: Checking tone and language

The focus of this step is re-working what you've done in Step 2 and 3.

You identified who you were talking to (Step 2) and in Step 3, wrote up your first main point.  Is it right? Have you made yourself clear?  Check it.

How well you complete this step depends on how well you understand the needs of the people who are going to listen to your speech.

Please do not assume because you know what you're talking about the person (Joe) you've chosen to represent your audience will too. Joe is not a mind-reader!

How to check what you've prepared

  • Check the "tone" of your language . Is it right for the occasion, subject matter and your audience?
  • Check the length of your sentences. You need short sentences. If they're too long or complicated you risk losing your listeners.

Check for jargon too. These are industry, activity or group exclusive words.

For instance take the phrase: authentic learning . This comes from teaching and refers to connecting lessons to the daily life of students. Authentic learning is learning that is relevant and meaningful for students. If you're not a teacher you may not understand the phrase.

The use of any vocabulary requiring insider knowledge needs to be thought through from the audience perspective. Jargon can close people out.

  • Read what you've written out loud. If it flows naturally, in a logical manner, continue the process with your next main idea. If it doesn't, rework.

We use whole sentences and part ones, and we mix them up with asides or appeals e.g. "Did you get that? Of course you did. Right...Let's move it along. I was saying ..."

And now repeat the process

Repeat this process for the remainder of your main ideas.

Because you've done the first one carefully, the rest should follow fairly easily.

Step 5: Use transitions

Providing links or transitions between main ideas.

Between each of your main ideas you need to provide a bridge or pathway for your audience. The clearer the pathway or bridge, the easier it is for them to make the transition from one idea to the next.

If your speech contains more than three main ideas and each is building on the last, then consider using a "catch-up" or summary as part of your transitions.

Link/transition examples

A link can be as simple as:

"We've explored one scenario for the ending of Block Buster 111, but let's consider another. This time..."

What follows this transition is the introduction of Main Idea Two.

Here's a summarizing link/transition example:

"We've ended Blockbuster 111 four ways so far. In the first, everybody died. In the second, everybody died BUT their ghosts remained to haunt the area. In the third, one villain died. His partner reformed and after a fight-out with the hero, they both strode off into the sunset, friends forever. In the fourth, the hero dies in a major battle but is reborn sometime in the future.

And now what about one more? What if nobody died? The fifth possibility..."

Go back through your main ideas checking the links. Remember Joe as you go. Try each transition or link out loud and really listen to yourself. Is it obvious? Easily followed?

Keep them if they are clear and concise.

Step 6: The end of your speech

The ideal ending is highly memorable . You want it to live on in the minds of your listeners long after your speech is finished. Often it combines a call to action with a summary of major points.

Example speech endings

Example 1: The desired outcome of a speech persuading people to vote for you in an upcoming election is that they get out there on voting day and do so. You can help that outcome along by calling them to register their support by signing a prepared pledge statement as they leave.

"We're agreed we want change. You can help us give it to you by signing this pledge statement as you leave. Be part of the change you want to see!

Example 2: The desired outcome is increased sales figures. The call to action is made urgent with the introduction of time specific incentives.

"You have three weeks from the time you leave this hall to make that dream family holiday in New Zealand yours. Can you do it? Will you do it? The kids will love it. Your wife will love it. Do it now!"

How to figure out the right call to action

A clue for working out what the most appropriate call to action might be, is to go back to your original purpose for giving the speech.

  • Was it to motivate or inspire?
  • Was it to persuade to a particular point of view?
  • Was it to share specialist information?
  • Was it to celebrate a person, a place, time or event?

Ask yourself what you want people to do as a result of having listened to your speech.

Write and test

Write your ending and test it out loud. Try it out on a friend, or two. Is it good? Does it work?

Step 7: The introduction

Once you've got the filling (main ideas) the linking and the ending in place, it's time to focus on the introduction.

The introduction comes last as it's the most important part of your speech. This is the bit that either has people sitting up alert or slumped and waiting for you to end. It's the tone setter!

What makes a great speech opening?

Ideally you want an opening that makes listening to you the only thing the 'Joes' in the audience want to do.

You want them to forget they're hungry or that their chair is hard or that their bills need paying.

The way to do that is to capture their interest straight away. You do this with a "hook".

Hooks to catch your audience's attention

Hooks come in as many forms as there are speeches and audiences. Your task is work out what specific hook is needed to catch your audience.

Go back to the purpose. Why are you giving this speech?

Once you have your answer, consider your call to action. What do you want the audience to do, and, or take away, as a result of listening to you?

Next think about the imaginary or real person you wrote for when you were focusing on your main ideas.

Choosing the best hook

  • Is it humor?
  • Would shock tactics work?
  • Is it a rhetorical question?
  • Is it formality or informality?
  • Is it an outline or overview of what you're going to cover, including the call to action?
  • Or is it a mix of all these elements?

A hook example

Here's an example from a fictional political speech. The speaker is lobbying for votes. His audience are predominately workers whose future's are not secure.

"How's your imagination this morning? Good? (Pause for response from audience) Great, I'm glad. Because we're going to put it to work starting right now.

I want you to see your future. What does it look like? Are you happy? Is everything as you want it to be? No? Let's change that. We could do it. And we could do it today.

At the end of this speech you're going to be given the opportunity to change your world, for a better one ...

No, I'm not a magician. Or a simpleton with big ideas and precious little commonsense. I'm an ordinary man, just like you. And I have a plan to share!"

And then our speaker is off into his main points supported by examples. The end, which he has already foreshadowed in his opening, is the call to vote for him.

Prepare several hooks

Experiment with several openings until you've found the one that serves your audience, your subject matter and your purpose best.

That completes the initial seven steps towards writing your speech. If you've followed them all the way through, congratulations, you now have the text of your speech!

Although you might have the words, you're still a couple of steps away from being ready to deliver them. Both of them are essential if you want the very best outcome possible. They are below. Please take them.

Step 8: Checking content and timing

This step pulls everything together.

Check once, check twice, check three times & then once more!

Go through your speech really carefully.

On the first read through check you've got your main points in their correct order with supporting material, plus an effective introduction and ending.

On the second read through check the linking passages or transitions making sure they are clear and easily followed.

On the third reading check your sentence structure, language use and tone.

Double, triple check the timing

Now go though once more.

This time read it aloud slowly and time yourself.

If it's too long for the time allowance you've been given make the necessary cuts.

Start by looking at your examples rather than the main ideas themselves. If you've used several examples to illustrate one principal idea, cut the least important out.

Also look to see if you've repeated yourself unnecessarily or, gone off track. If it's not relevant, cut it.

Repeat the process, condensing until your speech fits the required length, preferably coming in just under your time limit.

You can also find out how approximately long it will take you to say the words you have by using this very handy words to minutes converter . It's an excellent tool, one I frequently use. While it can't give you a precise time, it does provide a reasonable estimate.

Step 9: Rehearsing your speech

And NOW you are finished with writing the speech, and are ready for REHEARSAL .

Please don't be tempted to skip this step. It is not an extra thrown in for good measure. It's essential.

The "not-so-secret" secret of successful speeches combines good writing with practice, practice and then, practicing some more.

The Quick How to Write a Speech Checklist

Before you begin writing you need:.

  • Your speech OUTLINE with your main ideas ranked in the order you're going to present them. (If you haven't done one complete this 4 step sample speech outline . It will make the writing process much easier.)
  • Your RESEARCH
  • You also need to know WHO you're speaking to, the PURPOSE of the speech and HOW long you're speaking for

The basic format

  • the body where you present your main ideas

Split your time allowance so that you spend approximately 70% on the body and 15% each on the introduction and ending.

How to write the speech

  • Write your main ideas out incorporating your examples and research
  • Link them together making sure each flows in a smooth, logical progression
  • Write your ending, summarizing your main ideas briefly and end with a call for action
  • Write your introduction considering the 'hook' you're going to use to get your audience listening
  • An often quoted saying to explain the process is: Tell them what you're going to tell them (Introduction) Tell them (Body of your speech - the main ideas plus examples) Tell them what you told them (The ending)

TEST before presenting. Read aloud several times to check the flow of material, the suitability of language and the timing.

How to write a speech outline and up your presentation game

One reason people find public speaking daunting is they don’t have a simple method to sort their ideas, which can leave them feeling unprepared for the task ahead. Rather than being excited about what they have put together, they think, “Agh, that’ll have to do. I’m out of time.” This feeling, in turn, can have a negative impact on physical and mental energy levels during your talk. If you don’t feel confident, you won’t sound confident, and you’re not likely to impress your audience. If you go in confidently, the audience will be more willing to accept your ideas.

Whether you’re pitching a business idea or delivering a heartfelt wedding speech, you need to consider the perspective of your audience, identify your key message, and decide on the best way to engage your audience from start to finish.

A persuasive speech outline gives you a map of the key ideas of your speech. First, it should ask you to consider your audience’s perspective and the key message you want them to remember from your talk. Then, it should guide you in creating a clear, organized structure for your presentation.

Step 1: Message statement

The first page of the speech outline is where you define your transferable message. The message statement page asks three important questions:

  • Who are you speaking to? You need to look into the mind of your listeners. What’s their job role, their biases, and their wants and concerns? If you don’t understand your audience’s perspective, you won’t be able to get through to them, no matter how important your ideas may be.  
  • What do you want them to think or do? Do you want them to think something, e.g., “This project will succeed” or “Learning this method will make you better at your job”? Or do you want them to do something, like sign the contract or try the product?  
  • Why would they think or do what you suggest?  Why should your audience sign the contract, try out the product, or believe that the project will succeed? List the reasons, arguments, examples, evidence, etc. (focused on what you know about your audience).

By combining the answers to questions two and three, you will have a draft of your message statement, which you will then transfer to the second page and use as your speech’s conclusion.

Pro tip: The best way to know if this message statement truly encapsulates your point is to test it. Imagine you are finishing your presentation. Think of your imaginary audience and say your message statement out loud. Does it bring your idea to life? Is this the one key message you want your listeners to recall? If not, repeat the process until your message statement feels complete.

Vivid Speech Outline chunk structure

Step 2: Chunk structure

The second page of the template gives you a one-page summary of your entire speech or presentation in brief, narrow pieces called chunks. This allows you to separate the world’s overwhelming details into categories, sections, paragraphs, segments, etc., and think more clearly.

The foundation of your one-page chunk structure is as follows:

1. Presentation title

Create a simple yet captivating title to capture attention and set expectations.

2. Two to four chunks

Make your speech easily digestible by segmenting it into chunks. Depending on what the situation calls for, you can choose two to four chunks or main ideas. You could choose as many segments as you like, but if you include more than four, your talk will start to seem complicated. When announcing the overview of your speech, every audience will be pleased to hear that your talk requires only two, three, or four main ideas to follow.

Inside each main idea or chunk, be sure to include:

A chunk heading: This heading simply states the issue to be discussed.

Details: List the examples, evidence, stories, charts or whatever details that help bring a key point to life beneath the chunk headings.

The key point: People forget most of what they hear, which is why you should state the key point at the end of each chunk. Even if your listeners won’t remember all the details, you hope they will remember the main point for each particular chunk.

For the conclusion, simply transfer over your message statement from the first page. Although you may want to re-test the message statement (from the first page) to see how it flows with the new details you’ve added to your speech outline, you’ve already written your big finish.

Pro tip: Now that you have a completed chunk structure, you can practice your speech from start to finish in less than a minute. Because you have a one-page map of all your important points for this talk in the chunk structure, you can test your message and structure––the yellow shapes (the title, optional introduction, chunk headings, key points, and message statement)––out loud. When delivering presentations it’s important for your words and ideas to flow so your audience can understand how everything links together and why it’s all relevant.

This can be done using speech transitions because these act as signposts to the audience – signalling the relationship between points and ideas. This article explores how to use speech transitions in presentations.

What are speech transitions?

Speech transitions are words and phrases that allow you to smoothly move from one point to another so that your speech flows and your presentation is unified.

This makes it easier for the audience to understand your argument and without transitions the  audience may be confused  as to how one point relates to another and they may think you’re randomly jumping between points.

Types of transitions

Transitions can be one word, a phrase or a full sentence – there are many different types, here are a few:

Introduction

Introduce your topic:

  • We will be looking at/identifying/investigating the effects of…
  • Today I will be discussing…

Presentation outline

Inform the audience of the structure of your presentation:

  • There are three key points I’ll be discussing…
  • I want to begin by…, and then I’ll move on to…
  • We’ll be covering… from two points of view…
  • This presentation is divided into four parts…

Move from the introduction to the first point

Signify to the audience that you will now begin discussing the first main point:

  • Now that you’re aware of the overview, let’s begin with…
  • First, let’s begin with…
  • I will first cover…
  • My first point covers…
  • To get started, let’s look at…

Shift between similar points

Move from one point to a similar one:

  • In the same way…
  • Likewise…
  • Equally…
  • This is similar to…

Presentation transitions at a meeting

This can be also be useful to introduce a new point because adults learn better when new information builds on previously learned information.

Physical movement

You can  move your body  and your standing location when you transition to another point. The audience find it easier to follow your presentation and movement will increase their interest.

A common technique for incorporating movement into your presentation is to:

  • Start your introduction by standing in the centre of the stage.
  • For your first point you stand on the left side of the stage.
  • You discuss your second point from the centre again.
  • You stand on the right side of the stage for your third point.
  • The conclusion occurs in the centre.

Emphasising importance

You need to ensure that the audience get the message by informing them why something is important:

  • More importantly…
  • This is essential…
  • Primarily…
  • Mainly…

Internal summaries

Internal summarising consists of summarising before moving on to the next point. You must inform the audience:

  • What part of the presentation you covered – “In the first part of this speech we’ve covered…”
  • What the key points were – “Precisely how…”
  • How this links in with the overall presentation – “So that’s the context…”
  • What you’re moving on to – “Now I’d like to move on to the second part of presentation which looks at…”

Transition to another speaker

In a  group presentation  you must transition to other speakers:

  • Briefly recap on what you covered in your section: “So that was a brief introduction on what health anxiety is and how it can affect somebody”
  • Introduce the next speaker in the team and explain what they will discuss: “Now Gayle will talk about the prevalence of health anxiety.”
  • Then end by looking at the next speaker, gesturing towards them and saying their name: “Gayle”.
  • The next speaker should acknowledge this with a quick: “Thank you Simon.”

From these examples, you can see how the different sections of the presentations link which makes it easier for the audience to follow and remain engaged.

You can  tell personal stories  or share the experiences of others to introduce a point. Anecdotes are especially valuable for your introduction and between different sections of the presentation because they engage the audience. Ensure that you plan the stories thoroughly beforehand and that they are not too long.

Using questions

You can transition through your speech by asking questions and these questions also have the benefit of engaging your audience more. There are three different types of questions:

Direct questions require an answer: “What is the capital of Italy?” These are mentally stimulating for the audience.

Rhetorical questions  do not require answers, they are often used to emphasises an idea or point: “Is the Pope catholic?

Loaded questions contain an unjustified assumption made to prompt the audience into providing a particular answer which you can then correct to support your point: You may ask “Why does your wonderful company have such a low incidence of mental health problems?”.

The audience will generally answer that they’re happy. After receiving the answers you could then say “Actually it’s because people are still unwilling and too embarrassed to seek help for mental health issues at work etc.”

Speech transitions during a conference

Transition to a visual aid

If you are going to introduce a visual aid you must prepare the audience with what they’re going to see, for example, you might be leading into a diagram that supports your statement. Also, before you  show the visual aid , explain why you’re going to show it, for example, “This graph is a significant piece of evidence supporting X”.

When the graphic is on display get the audience to focus on it:

  • The table indicates…
  • As you can see…
  • I’d like to direct your attention to…

Explain what the visual is showing:

  • You can see that there has been a reduction in…
  • The diagram is comparing the…

Using a visual aid to transition

Visual aids can also be used as transitions and they have the benefit of being stimulating and breaking-up vocal transitions.

You might have a slide with just a picture on it to signify to the audience that you’re moving on to a new point – ensure that this image is relevant to the point. Many speakers like to use cartoons for this purpose but ensure its suitable for your audience.

Always summarise your key points first in the conclusion:

  • Let’s recap on what we’ve spoken about today…
  • Let me briefly summarise the main points…

And then conclude:

If you have a shorter speech you may choose to  end your presentation  with one statement:

  • In short…
  • To sum up…
  • In a nutshell…
  • To summarise…
  • In conclusion…

However, using statements such as “To conclude” may cause the audience to stop listening. It’s better to say:

  • I’d like to leave you with this…
  • What you should take away from this is…
  • Finally, I want to say…

Call to action

Requesting the audience to do something at the end of the presentation:

  • You may be thinking how can I help in this matter? Well…
  • My aim is to encourage you to go further and…
  • What I’m requesting of you is…

Common mistakes

When transitions are used poorly you can annoy and confuse the audience. Avoid:

  • Using transitions that are too short – transitions are a key part of ensuring the audience understands your presentation so spend sufficient time linking to your next idea.
  • Too many tangents – any digressions should still be relevant to the topic and help the audience with their understanding, otherwise cut them out.
  • Incompatible transitions – for example, if you’re about to introduce an example that supports your statement you wouldn’t introduce this by saying “but”. Use transitions that signify the relationship between points.
  • Over-using the same transition because this is boring for the audience to hear repeatedly. Ensure that there is variety with your transitions, consider including visual transitions.
  • Miscounting your transitions – for example, don’t say “first point”, “second point”, “next point” – refer to your points consistently.

Speech transitions are useful for unifying and connecting your presentation. The audience are more likely to remain engaged since they’ll be able to follow your points. But remember that it’s important to practice your transitions beforehand and not just the content of your arguments because you risk looking unprofessional and confusing the audience if the presentation does not flow smoothly.

After the greetings, the Introduction has to be attention-getting. Quickly get people’s attention. The goal of a speech is to engage the audience and persuade them to think or act in your favour. The introduction must effectively include: 

  • A brief preview of your topic. 
  • Define the outlines of your speech. (For example, I’ll be talking about…First..Second…Third)
  • Begin with a story, quote, fact, joke, or observation in the room. It shouldn’t be longer than 3-4 lines. (For Example: “Mahatma Gandhi said once…”, or “This topic reminds me of an incident/story…”)

This part is also important because that’s when your audience decides if the speech is worth their time. Keep your introduction factual, interesting, and convincing.

It is the most important part of any speech. You should provide a number of reasons and arguments to convince the audience to agree with you.

Handling objections is an important aspect of speech composition. There is no time for questions or concerns since a speech is a monologue. Any concerns that may occur during the speech will be addressed by a powerful speech. As a result, you’ll be able to respond to questions as they come in from the crowd. To make speech simpler you can prepare a flow chart of the details in a systematic way.

Did you know that there are many benefits of using graphic organizers in speech therapy? Is this something that you are already doing or have thought about doing? You probably already know this but a graphic organizer is a visual and graphic display that depicts the relationships between facts and ideas in a learning task. Sometimes graphic organizers might also be referred to as the following:

There are many different types of graphic organizers to use during various scenarios for reading, writing, doing research and studying. Graphic organizers have been scientifically proven to be an effective way of teaching and learning. One great program for creating digital graphic organizers in speech therapy is called Canva . There are a multitude of digital graphic organizers to pull from in this program. You can even change the colors and fonts to match the theme of your lesson. 

 There are 2 ways to use digital graphic organizers using Canva :

  • Open and use in Canva  

You can type directly on the document 

in Canva and then save.

  • Upload to another program to “write on” or annotate”

Save the template and export the file (save as PDF or JPG) and upload to another type of program to “write on” or “annotate” like google docs.

Here’s how to create a graphic organizer in Canva:

  • Go to https://www.canva.com
  • Create an account or login if you have an account in Canva already.
  • At the top, where it says “design anything,” click the arrows to scroll through and find “graphic organizer.”

4. Scroll down through all the different graphic organizers on the left and choose the best one for the task. (Simply click or drag and drop)

5. To add text, click the box that says “text” in the far left column of the screen. You can click text in or drag and drop. You can change the font and also make the box bigger or smaller

6. To change any colors on the graphic organizer template, click on the color shown and in the top you will see a square with the color shown. Click on the square and choose from the color box to change colors.

7. When your image is ready, click the down arrow in the top right to download and save as a Jpeg or PDF document.

Speech delivery practice

A speech is not an assignment that can be done the night before; practice is essential.  Practicing a speech will boost your confidence as a speaker and ease potential anxiety.

Podium/lectern practice

Using or not using a podium does not make or break a speech. If using a podium, it should not be used to hide from the audience.  

  • Stand tall—do not hold or lean on the podium
  • Makes an impact especially at the conclusion of the speech
  • Allows audience to see you as a person, not just a face behind the podium
  • Be sure gestures can be seen
  • It is easy with a podium to look down especially if you have notes or outlines
  • Maintain eye contact with the audience

Notes can be helpful. Know your instructor’s preference as some allow notes and some don’t. 

  • Make sure to look at the audience
  • Know your notes well enough to find what you need
  • Know at what point(s) in your speech you may need to look down at your notes
  • Notes should be simple enough to keep the speech on track

A gesture is the movement of your hands to express an idea. When practicing your speech, do not practice gestures, let them occur naturally.

  • Use natural gestures. Gestures should be relaxed and enhance your speech
  • If the topic is exciting, then be excited
  • Make gestures visible, even if using a podium/lectern
  • Use gestures sparingly. Gestures should not be what the audience remembers about your speech

Vocal delivery

Your voice should be loud enough to be heard and have variation (not monotone). This occurs naturally in conversation with friends—so your speech should sound the same.

Try practicing the following to work on vocal variations and delivery.

  • Tongue twisters
  • Funny voices

 These will help you transition to a natural variation in volume and tone.

Adapt to length of the speech

In extemporaneous speaking, there are no ties to a manuscript, so there is flexibility in structure.

  • Move to conclusion of the speech
  • The audience doesn’t know what was planned—they just experience the speech as it is delivered
  • Understands your topic
  • Remembers your thesis and key points

Be direct in speaking

For clarity and time constraints, watch for places where phrases can be more concise. Practicing your speech will allow you to hear where phrases can be shortened and made more concise. For example, instead of “due to the fact” say “because”.

Sentence Diagramming and Parts of Speech Practice

other parts of a sentence. Most students find that the visual image helps them better understand and remember grammatical terms, the parts of a sentence, and the basic rules of grammar. Sentence diagrams take the abstract components of English grammar and make them concrete. With practice, writers can use diagramming to diagnose their own grammatical errors and fix them.

Objectives: Students will learn the how a sentence diagram depicts the subject, predicate, direct object, and indirect object of a sentence. Students will learn the definitions of these parts of the sentence. Students will apply proper nouns, action verbs, common nouns, and object case pronouns to their diagrams.

Lesson #1      Introduction

  • Draw a simple horizontal line and write a subject on top to the left. Make the subject a proper noun and define the word as “the do-er” of the sentence.
  • Draw a vertical line after the subject and extend it just under the line.
  • Write a predicate on top of the horizontal line, just to the right of the vertical line. Make the predicate a present tense action verb that will easily lead to a direct object without an article ( a , an , and the ). Define the predicate as “the action” of the subject and “what the ‘do-er’ does.”
  • Have students replicate the lines and then insert their own subjects (proper nouns only) and predicates (present tense action verbs only). Share examples and discuss, making sure to use the exact language of instruction.

Lesson #2       Building onto the Lesson #1 Diagram

  • Draw another vertical line after the predicate, but don’t extend it under the horizontal line.
  • Write a direct object on top of the horizontal line, just to the right of the second vertical line. Make the direct object be a common noun that doesn’t need an article. Define the direct object as the word that answers “What?” or “Who” from the predicate.
  • Have students add the second vertical line on to their Lesson #1 Diagram and insert their own subjects, predicates, and direct objects (common nouns only). Don’t allow students to use articles at this point. Share examples and discuss, making sure to use the exact language of instruction.

Lesson #3       Building onto the Lesson #2 Diagram

  • Draw a vertical line down from the horizontal line below the predicate.
  • Write an indirect object to the right of the vertical line. Make the indirect object be a pronoun. Define the indirect object as the word that answers “To or For What?” or “To or For Whom” from the predicate.
  • Have students add the vertical line on to their Lesson #2 Diagram and insert their own subjects, predicates, direct objects (common nouns only), and indirect objects (pronouns only). Don’t allow students to use articles at this point. Share examples and discuss, making sure to use the exact language of instruction.

Hints for Down the Road

On the Horizontal Baseline*

-Place all parts of the predicate verb phrase on the horizontal line between the subject and direct object (has been said).

-If the object is a  predicate noun or adjective , draw a backslash ( \ ) slanting toward the subject (He | is / Tom) (He | is / nice).

-Place implied subjects in the subject place within parentheses, for example (You).

-Place appositives after the subject or object within parentheses (Tom (the man in red)).

*After the first three lessons, it is best to refer to the horizontal line as the baseline because more advanced sentence diagrams may have multiple horizontal lines.

Expanding the Baseline

Compound subjects (Tom and Sue) and compound predicates (talked and shopped) are drawn as multiple horizontal lines stacked vertically and are joined at each end by a fan of diagonal lines. The coordinating conjunction (and) is placed next to a dotted vertical line that connects the left ends of the horizontal lines.

Below the Baseline

Modifiers of the subject, predicate, or object are placed below the baseline. Adjectives (including articles) and adverbs are placed to the right of forward slashes (/), below the words they modify.

-Prepositional Phrases

Prepositional phrases (under the tree) are also placed beneath the words they modify. Prepositions are placed to the right of forward slashes (/), below the words they modify and the forward slashes are connected to the horizontal lines on which the objects of the prepositions are placed.

-Compound Sentences

Compound sentences (Tom walked home, and Sue followed him) are diagrammed separately with the verbs of the two clauses joined by a vertical dotted line with the conjunction written next to the dotted line.

-Subordinate (Dependent) Clauses

Subordinate (dependent clauses) (Although Tom walked home, …) connect the verbs of the two clauses with a dotted forward slash next to which the subordinating conjunction is written. Subordinate (dependent) clauses form their own subject-verb-object baselines.

-Participles and Participial Phrases

A participle (practicing…) is drawn to the right of a backslash, except that a small horizontal line branches off at the end on which the suffix er, _ing, _en, _d, or _ed is written. With a participial phrase, the additional word or words are placed after a vertical line following the participial suffix (practicing soccer).

-Relative Clauses

Relative clauses (whom I know) connect the subject or object of the baseline with a dotted line to the relative pronoun (that, who, whom, which) which begins its own subject-verb-object baseline.

Above the Baseline

-Gerunds and Gerund Phrases

Gerunds (Running) are placed on a horizontal line, connected to a vertical line descending to the baseline. The _ing is written to the right of a backslash at the end of the horizontal line. With a gerund phrase (Running effortlessly), the additional word or words are connected to the backslash on another horizontal line.

-Interjections

Interjections (Hey), Expletives (There), and Nouns of Direct Address are placed on horizontal lines above the baseline and are not connected to the baseline.

-Noun Clauses

Noun clauses (What you should know) branch up from the subject or object sections of the baseline with solid lines and form their own baselines with subject-verb-object vertical lines.

Does Sentence Diagramming Make Sense?

Simply put, any language’s grammar is the attempt to organize and systematize how its oral and written language works. A grammar provides a common language of instruction. It helps us understand how words function and how words are put together in a sentence to communicate effectively. It also provides rules for proper word choice, inflections, and usage.

Attempts to graphically represent a grammar are usually called diagramming . Most grammatical diagrams are designed to represent the sentence, since the sentence, by definition, is the

shortest representation of a complete thought. Alonzo Reed and Brainerd Kellogg first published the graphic depictions that we call sentence diagrams in their book, Higher Lessons in English , in 1877. http://en.wikipedia.org/wiki/Sentence_diagram Linguists have always used sentence diagramming, albeit with different versions. For example, Noam Chomsky developed his own X-bar diagramming system in 1970. However, the Reed-Kellogg system has remained the most popular method because of its simplicity.

Why Teach Sentence Diagramming?

Proponents argue that sentence diagramming is a useful visual tool that allows teachers and students to identify the different parts of sentences, understand how these parts function, and see how these parts relate to other parts of the sentence. Most students find that the visual image helps them better understand and remember the parts of a sentence, grammatical terms, and the rules of grammar. Sentence diagrams make the abstract components of English grammar concrete for English speakers and writers. With a bit of practice, writers can use diagramming to diagnose their own grammatical errors and fix them.

Why Not Teach Sentence Diagramming?

Opponents argue that constructing sentence diagrams is not authentic writing; it is analysis . Understanding the parts of sentences and how they relate to one another does not necessarily mean that a student can apply this understanding to construct meaningful sentences. Correct sentences are not the same as coherent sentences. Furthermore, sentence diagramming does not go beyond the sentence level and so does not deal with connected thought, that is the paragraph level, or by extension, a unified essay. Lastly, any instructional practice is reductive—it takes away instructional time. Students learning to write benefit more from authentic writing practice, than from sentence diagramming analysis.

Effective writing instruction melds both analysis and practice. Students need the deductive apply-the-components/rules-of-grammar approach and the inductive practice-the-meaningful-communication of ideas-with-feedback approach to become effective writers. Some sentence diagramming does make sense: not too much to take over a writing program, but just enough to do its job. I advocate more recognition practice and less application practice. In other words, providing a sentence diagram with one or two missing words, say the direct and indirect objects, and having students identify and place those two missing parts of the sentence, achieves the instructional objective just as well as taking the time needed for students to construct the whole sentence. If you’re studying a leaf, you don’t have to draw the whole tree.

Using Venn Diagrams to Work on Compare and Contrast in Speech Therapy

Speech and language students can struggle in various ways. They can struggle with vocabulary, memory, organization of language, and comprehending what they heard/read. Graphic organizers are a great tool to help our students.

Why use graphic organizers in speech therapy?

There is tons of evidence to support the use of graphic organizers.

Students with ASD and LLDs often struggle to understand relationships among critical concepts. They require explicit instruction in how content is related to background knowledge so they can make inference. (Ward-Lonergan & Duthie, 2016)

Graphic organizers can be used to identify salient details. They can be used to minimize extraneous information that frequently distracts students from the most important content. (DiCecco & Gleason, 2002)

As you can see…our students can benefit from it so why not use it! But let's focus on the Venn Diagram for comparing and contrasting.

Why Use A Venn Diagram in Speech Therapy

Our students struggle to visually see comparisons. They need help to organize their thoughts to answer questions. They benefit from tasks being broken down and simplified. A Venn Diagram can do that for them. With it being as simple as using a venn diagram maker , using this method in a class like these could make a big difference to how children learn and are able to put their opinions down on paper. We can help teach them HOW to complete a graphic organizer and how to verbally explain responses using phrases like “The ____ is _______ but the _____ is ______.”

Using Venn Diagrams in Speech and Language Therapy

Start with basic vocabulary. Can they use a Venn Diagram to compare/contrast. Sometimes you may need to scaffold for your students and GIVE them the answers to sort! (I did that for you in my Venn Diagram resource shown above which you can check out by CLICKING HERE!).

You can make practicing FUN! Don't be afraid to think outside the box. I love just using a dry erase marker and writing on my table and letting my students complete a Venn Diagram that way.

Using Venn Diagrams to Work on Compare and Contrast in Speech Therapy

Once my students grasp basic vocabulary…my job isn't done! They need to own how to use this skill with comprehension tasks! They are expected to use graphic organizers such as this one in the classroom setting. I can model and help them. Just like with basic vocabulary, I give them the answers to sort when completing the Venn Diagram based on a text read/heard.

Reporting the narration is done two ways – Direct or Indirect. The CBSE Class 10 Gramar syllabus includes this reporting in dialogue forms. After that an exercise with blanks to be filled to transform the whole conversation in indirect form. Here are given practice exercises to help practice Dialogue reporting.

Note: A sentence in Simple Past (verb 2nd form or Did + Verb 1st form) need not always be converted to Past Perfect (had + Verb 3rd form) . But it is safe to convert to Past Perfect as others (evaluators) may not be knowing it. Even CBSE marking schemes seem to follow the safe rule i.e. Changing Past Tense to past Perfect tense. An example is given below.

Direct: He said, “I saw the thief myself.”

Indirect: he said that he had seen the thief himself. (The safe rule to follow) OR He said that he saw the thief himself. (It is also correct – but mostly not followed)

May 19 update: Representative Elise Stefanik addressed some Israeli lawmakers at Parliament.

Representative Elise Stefanik of New York will be the highest-ranking House Republican to address lawmakers at Israel’s Parliament since the Oct. 7 terrorist attack with a speech on Sunday that is expected to deliver a forceful rebuke of President Biden and his fellow Democrats while presenting her party as the true allies of the Jewish state.

Ms. Stefanik’s speech comes as the Biden White House is urging Israel to end the war in Gaza, and it builds on the Republican political strategy to capitalize on Democratic divisions over Israel’s response to the terrorist attacks.

That strategy, which has played out in Congress for the past six months, has included a largely symbolic House vote on Thursday aimed at rebuking Mr. Biden for pausing an arms shipment to Israel and compelling his administration to deliver those weapons quickly.

Mr. Biden recently put a hold on military aid out of concern that Israel would use the weapons on Rafah, a crowded city in southern Gaza. The administration has also told Congress that it plans to sell more than $1 billion in new weapons to Israel.

“I have been clear at home, and I will be clear here,” Ms. Stefanik is expected to say in her speech, according to a prepared version of her remarks reviewed by The New York Times. “There is no excuse for an American president to block aid to Israel.”

Her remarks also appear designed to curry favor with former President Donald J. Trump, who has mentioned Ms. Stefanik, a former George W. Bush White House aide and staunch defender of Mr. Trump, as a potential vice-presidential candidate.

While a time-honored adage of American politics has held that partisanship ends at the water’s edge , Ms. Stefanik’s remarks may help strengthen her bona fides with the former president by paying little mind to the principle and decorum behind that unwritten rule.

Ms. Stefanik has positioned herself as one of Mr. Trump’s most loyal defenders in Congress, a role she first staked out during his first impeachment in 2019. Her prepared remarks for Sunday mention Mr. Trump by name three times while highlighting several of his administration’s accomplishments, including a package of Middle East deals known as the Abraham Accords and moving the U.S. embassy in Israel to Jerusalem.

“We must not let the extremism in elite corners conceal the deep, abiding love for Israel among the American people,” Ms. Stefanik plans to say. “Americans feel a strong connection to your people. They have opened their hearts to you in this dark hour.”

In addition to her remarks at Jerusalem Hall in the Knesset, Ms. Stefanik will meet with Israeli officials, visit religious sites and tour locations targeted in the Oct. 7 attacks.

Ms. Stefanik has played a high-profile role in the congressional investigations into antisemitism on college campuses. Her questioning of the Harvard and University of Pennsylvania presidents ultimately led to their resignations, delivering to Ms. Stefanik her biggest star turn this Congress.
