Keeping your presentation visuals minimalistic, simple, and clear is just one important step to remember when designing a hit presentation. Leaving nothing to chance, great presenters prove quite methodical as they prepare. Here’s a checklist for everything you need to keep in mind before your next presentation:

1. Choose the right software for your needs

The easiest way to select the right presentation software for you is to simply find the one that is native to your device. For example, if you have a Mac, use Apple Keynote, if you work on Windows, use PowerPoint. Google Slides is recommended if you’re working with someone, as it makes collaboration very easy. Another software option is Prezi: a specialty tool called Prezi that creates a presentation using motion, zoom, and panning across one giant visual space.

2. Organize your files

As you develop your script and visuals, you will need to start assembling all the assets for your slides. Create a unique folder on your computer to hold these items. Keep the folder organized by media type (presentation drafts, photos, videos, scripts) and back them up frequently to the Cloud or external disk. Label each file with a specific descriptive name, e.g. “Susan Johnson singing magpie 2020”, as opposed to “IMG_4043.jpg”, which can make it confusing to find your assets. The more organized you are up front, the easier preparing for your presentation will be.

3. Prepare your presentation materials

Make sure your presentation materials (script, graphics, actual slides) are saved in at least two safe spots (for example, your computer and an external USB drive) and are backed-up frequently. If you are using an online presentation software, such as Google Slides, be sure to also download a copy of your presentation in case the internet connection is unreliable. Having all the individual assets on hand in addition to your presentation slides can be helpful if you experience tech issues before presenting, or if you need to make any last minute changes. Make sure to label your final presentation with the title and your name so it’s easy to find.

4. Practice, practice, practice!

Remember, practice makes perfect. People often run out of time making their presentations and have no time to practice. Most TED speakers practice at least ten times. Neuroscientist Jill-Bolte Taylor gave one of the most successful Talks in TED history with nearly 27 million views. How did she do it? She practiced her Talk over 40 times! By rehearsing multiple times you will naturally memorize your Talk, which means you won’t need note cards when you give your final presentation.

5. Do a final test run

Before presenting, make sure the equipment you need is working properly. It’s generally good practice to rehearse standing on the exact stage with the exact lighting using the exact computer that you will be using in your final presentation.

Here’s a quick checklist of what to look for when testing your equipment:

  • If you're not using your own computer, the one provided might be slower and have trouble playing media. If you have videos or other media, make sure they play correctly
  • Test the projector to make sure it’s HD
  • Make sure images are clear
  • Test the sound of any clips you use, as this is what goes wrong most frequently
  • If you’re using a mic, test the volume

Don’t let technical issues or other blunders overshadow your presentation. By following these guidelines, and with a little preparation, you can engineer out the problems BEFORE they happen.

How can you make a good presentation even more effective?

This page draws on published advice from expert presenters around the world, which will help to take your presentations from merely ‘good’ to ‘great’.

Whether you are an experienced presenter, or just starting out, there should be ideas here to help you to improve.

1. Show your Passion and Connect with your Audience

It’s hard to be relaxed and be yourself when you’re nervous.

But time and again, the great presenters say that the most important thing is to connect with your audience, and the best way to do that is to let your passion for the subject shine through.

Be honest with the audience about what is important to you and why it matters.

Be enthusiastic and honest, and the audience will respond.

2. Focus on your Audience’s Needs

Your presentation needs to be built around what your audience is going to get out of the presentation.

As you prepare the presentation, you always need to bear in mind what the audience needs and wants to know, not what you can tell them.

While you’re giving the presentation, you also need to remain focused on your audience’s response, and react to that.

You need to make it easy for your audience to understand and respond.

3. Keep it Simple: Concentrate on your Core Message

When planning your presentation, you should always keep in mind the question:

What is the key message (or three key points) for my audience to take away?

You should be able to communicate that key message very briefly.

Some experts recommend a 30-second ‘elevator summary’, others that you can write it on the back of a business card, or say it in no more than 15 words.

Whichever rule you choose, the important thing is to keep your core message focused and brief.

And if what you are planning to say doesn’t contribute to that core message, don’t say it.

4. Smile and Make Eye Contact with your Audience

This sounds very easy, but a surprisingly large number of presenters fail to do it.

If you smile and make eye contact, you are building rapport , which helps the audience to connect with you and your subject. It also helps you to feel less nervous, because you are talking to individuals, not to a great mass of unknown people.

To help you with this, make sure that you don’t turn down all the lights so that only the slide screen is visible. Your audience needs to see you as well as your slides.

5. Start Strongly

The beginning of your presentation is crucial. You need to grab your audience’s attention and hold it.

They will give you a few minutes’ grace in which to entertain them, before they start to switch off if you’re dull. So don’t waste that on explaining who you are. Start by entertaining them.

Try a story (see tip 7 below), or an attention-grabbing (but useful) image on a slide.

6. Remember the 10-20-30 Rule for Slideshows

This is a tip from Guy Kawasaki of Apple. He suggests that slideshows should:

  • Contain no more than 10 slides;
  • Last no more than 20 minutes; and
  • Use a font size of no less than 30 point.

This last is particularly important as it stops you trying to put too much information on any one slide. This whole approach avoids the dreaded ‘Death by PowerPoint’.

As a general rule, slides should be the sideshow to you, the presenter. A good set of slides should be no use without the presenter, and they should definitely contain less, rather than more, information, expressed simply.

If you need to provide more information, create a bespoke handout and give it out after your presentation.

7. Tell Stories

Human beings are programmed to respond to stories.

Stories help us to pay attention, and also to remember things. If you can use stories in your presentation, your audience is more likely to engage and to remember your points afterwards. It is a good idea to start with a story, but there is a wider point too: you need your presentation to act like a story.

Think about what story you are trying to tell your audience, and create your presentation to tell it.

Finding The Story Behind Your Presentation

To effectively tell a story, focus on using at least one of the two most basic storytelling mechanics in your presentation:

Focusing On Characters – People have stories; things, data, and objects do not. So ask yourself “who” is directly involved in your topic that you can use as the focal point of your story.

For example, instead of talking about cars (your company’s products), you could focus on specific characters like:

  • The drivers the car is intended for – people looking for speed and adventure
  • The engineers who went out of their way to design the most cost-effective car imaginable

A Changing Dynamic – A story needs something to change along the way. So ask yourself “What is not as it should be?” and answer with what you are going to do about it (or what you did about it).

For example…

  • Did hazardous road conditions inspire you to build a rugged, all-terrain jeep that any family could afford?
  • Did a complicated and confusing food labelling system lead you to establish a colour-coded nutritional index so that anybody could easily understand it?

8. Use your Voice Effectively

The spoken word is actually a pretty inefficient means of communication, because it uses only one of your audience’s five senses. That’s why presenters tend to use visual aids, too. But you can help to make the spoken word better by using your voice effectively.

Varying the speed at which you talk, and emphasising changes in pitch and tone all help to make your voice more interesting and hold your audience’s attention.

9. Use your Body Too

It has been estimated that more than three quarters of communication is non-verbal.

That means that as well as your tone of voice, your body language is crucial to getting your message across. Make sure that you are giving the right messages: body language to avoid includes crossed arms, hands held behind your back or in your pockets, and pacing the stage.

Make your gestures open and confident, and move naturally around the stage, and among the audience too, if possible.

10. Relax, Breathe and Enjoy

If you find presenting difficult, it can be hard to be calm and relaxed about doing it.

One option is to start by concentrating on your breathing. Slow it down, and make sure that you’re breathing fully. Make sure that you continue to pause for breath occasionally during your presentation too.

If you can bring yourself to relax, you will almost certainly present better. If you can actually start to enjoy yourself, your audience will respond to that, and engage better. Your presentations will improve exponentially, and so will your confidence. It’s well worth a try.

If you’re reading this blog, there’s a good chance you’ve given a presentation before. There’s also a good chance you’ve been on the receiving end of a presentation. Presentations are effective ways to teach, sell, and share ideas—the list is endless. Not all presentations are good, though—and when you’re in the midst of a bad one, it’s easy to tell.

With the right tools and dedicated time for editing, revising, and practicing, a multimedia presentation has the potential to take the topic at hand to new heights.

What is a Multimedia Presentation?

Much like the name suggests, a multimedia presentation is a presentation featuring multiple (multi) types of media. A few examples of media types include videos, GIFs, animations, audio, or photos.

At first reference, you might automatically equate a multimedia presentation with a PowerPoint. While PowerPoint is a valuable tool for creating a multimedia presentation, not all PowerPoints are multimedia presentations. 

A multimedia presentation is effective because it uses different types of media to engage an audience and ultimately communicate. Whether it’s a lesson, a pitch, a complex idea, or even a data set, multimedia presentations are an effective way to capture and maintain the attention of your target audience. 

Multimedia Presentations: 3 Common Examples

In order to deliver an effective multimedia presentation, it’s important to consider what you’re trying to convey and which media type and format works best.

Here are three of the most common examples of multimedia presentations and how they can be used. 

Example 1: Video

Video is a captivating way to transform information. Using video in a presentation can add context to an idea or even bring a theory to life through a visual example.

Adding video can also be effective in any education setting where a teacher or professor is seeking to increase in-class engagement . In fact, according to a study published in Innovations in Pharmacy , students reported higher in-class attention levels when a multimedia presentation was used for a class lecture rather than a traditional “chalk and talk” lecture.

Incorporating multimedia presentations into the classroom doesn’t just improve class engagement—it also gives students the opportunity to learn in whichever style works best for them .

The same goes for professional presentations. Videos can keep your audience attentive, boost retention, and make your points crystal clear. That’s because videos disrupt the monotonous structure of a typical meeting, which so often lead to disengagement and lack of attention.

Example 2: Animations and GIFs

In a new era of remote pitches and virtual demos, sales teams that once relied on a team, an oral presentation, and a basic slide deck have to get creative.

Presentation videos are one way that sales teams across industries are reshaping the traditional pitch. A great way to get creative with presentation videos is by adding in animations or GIFs to help articulate your key points.

A well-placed animation or GIF can create a natural pause in your presentation for quick reflection or needed break. It can also make your pitch more personable—and persuasive. If you’re presenting with a slide deck that includes other forms of media, an animation can help bring greater clarity to a complex process and break down complicated concepts.

Example 3: Graphs and Charts

Massive amounts of data can be incredibly helpful when solving a complex problem. It can also be difficult to present effectively.

For example, you might be able to identify a particular pattern or trend in a data set from first glance. However, your audience may not share your skillset and feel confused or overwhelmed by large data sets in your presentation.

Data visualization is important because it makes data easier to understand and pull insights from. Data visualization tools take existing data and organize it into graphs, charts, or other visual tools.

Multimedia presentations can help data visualization come to life. You can incorporate interactive graphs, tables, charts, and maps into your presentation to get everyone on the same page. Or take it a step further and add animations to these visualizations to emphasize important data points.

Essential Tools for Multimedia Presentation Building

There are lots of different tools you can use to design your multimedia presentation and even create new media. While many tools are similar, it’s important to note that some are more advanced than others. Make sure you know your skill limitations ahead of time and select only the tools you feel comfortable using. 

Here are four of the most important tools for building a multimedia presentation. 

PowerPoint, Google Slides, Keynote

All three of these tools are the gold standard for creating a slide-deck style multimedia presentation. Similar in design and features, the differences between these three programs are subtle, and the only reason to use one over the other would be based on what you have access to. 

One of the biggest benefits of using any of these three programs is that they’re all easy to use. If you’re a beginner, you can select from a variety of pre-made templates and drag and drop your media directly into your slides. 

As a bonus, these three programs also have some animation features, allowing you to animate objects on a slide or add in some seamless transitions between slides. These programs are all also easy to export and share, so your audience can review your presentation whenever they need a refresher.

Adobe Creative Cloud

Adobe Creative Cloud is more advanced and could require some additional knowledge or training. The biggest benefit of Adobe Creative Cloud is that all of the different products can be used interchangeably. For example, if you’re working on a video presentation in Adobe Premiere, you can seamlessly import an animation or motion graphic you created in Adobe After Effects directly into your video project file.

Canva is a multi-use tool that combines the features of PowerPoint and a variety of Adobe Creative Cloud products. It’s designed for beginner to intermediate users, also offering pre-made templates. As a bonus, many of their plans are low-cost, and there’s a free option that anyone can use. 

Canva features include everything from slide-deck style presentation templates to video presentations, standalone videos, and even some basic data visualization. 

Data Visualization

While many of the tools above have some sort of basic data visualization functionality, there are tools out there specially designed for more advanced applications and audiences.

Tableau , for example, is one of the most advanced data visualization tools often used by data scientists and statisticians. Power BI is another similar tool that tends to be lower cost for most users and integrates with other Microsoft products. 

Both tools have similar features and provide a variety of visualization options, so you can present data in a way that allows your audience to analyze effectively or clearly see important insights.

5 Steps for Creating a Multimedia Presentation

Overall, creating a multimedia presentation is similar to planning and designing any other type of presentation. Here are five steps to crafting a multimedia presentation:

  • Frame your story.
  • Create an outline.
  • Choose your tools.
  • Start building and add media.
  • Revise and edit.

Let’s dig into these steps a bit more. 

Step 1: Frame Your Story

In this Harvard Business Review article—which breaks down the process of developing a TED Talk —writer and TED curator Chris Anderson suggests starting with framing. 

There’s no way you can give a good talk unless you have something worth talking about. Conceptualizing and framing what you want to say is the most vital part of the preparation. Anderson

Planning out your journey is exactly where Anderson suggests the first part of any presentation planning should begin. Why? Because it forces you, the presenter, to think critically about who your audience is and what level of knowledge they may or may not have regarding your topic. 

Anderson’s other piece of advice on framing your story is to limit your scope. While you might have a ton of information you want to share, it’s important to narrow down your topic to only the things that can be explained, with particular attention to the things that can be explained and reinforced with different types of media. 

Step 2: Create an Outline

Once you have your concept and a rough idea of your journey in mind, it’s time to organize it into an outline. Think of your outline as a way to break down your topic into smaller, digestible pieces. Eventually, these smaller chunks will become the content for each of your presentation slides if you’re doing a slide-deck style presentation. If you’re not doing a slide presentation, these small pieces could also work well into a video storyboard.

Once your outline is finished, it’s time to go back and make note of any items that would benefit from additional media.

Here are a few examples of things to consider:

  • Do you have large amounts of numbers you can visualize with an animated graphic?
  • Is there a picture you can display to bring context to something you’re talking about?
  • Do you have access to videos that show a theory or concept you’re talking about?
  • Are there any product videos available that show your product in use?

These are only a few examples of areas where different types of media can help reinforce your point or act as engagement pieces if you’re in a more collaborative presentation setting . 

Step 3: Choose Your Tools

Selecting the correct tools can make presentation building easier and help you plan out the different forms of media you’ll include. 

As with all tools, be sure you’re familiar with the program you’re working with before you get started. If you’re not familiar with the program, check to see if you can find any resources to get up to speed on the basics, or reach out to a colleague or teammate to get assistance. 

Step 4: Start Building and Add Media

Now that you have your outline and you’ve selected the tools you’re going to use to build your multimedia presentation, it’s time to get started!

Use your outline to guide the creation of your multimedia presentation. For example, if you’re going to create a slide deck style presentation, begin populating your slides with necessary headers to guide your presentation from one section to the next. 

It might be helpful to sketch out the design of your slide layout and create boxes or placeholders where you’d like to add media. Once you’re finished, go back and add the different types of media to your slides.

Step 5: Revise and Edit

This sometimes overlooked step is often one of the most important steps in any presentation design process, not just multimedia presentation creation.

Think of it this way: Once you finish your presentation, consider it your first draft. Step away, take a day off, and then return with fresh eyes to review your original outline and ensure your transitions are effective. 

As a final note, don’t forget to check for typos and grammatical errors. There’s nothing worse than being mid-presentation and realizing, or being alerted to, a silly mistake that you could have easily fixed with a bit more attention to detail.

If you already have a Powerpoint presentation, congrats! You’ve saved yourself some time as the content is already there. The most important aspect at the beginning is determining which headlines are to be paired with which text, everything else is secondary.

PowerPoint and other presentation software creators can give you many ideas for the flow of the video presentation but they lack the custom animations and “pop” that a multimedia presentation can benefit from.

Take for example, the series of presentation images above. These look great from a layout-perspective but typically what these “out-of-the-box” software options will do is only enable you to click and the image will appear (sure, maybe it’s a dissolve or flash animation but remember, everyone else is doing this as well).

If you or someone you know has access to the Adobe Creative Suite, I  highly recommend using this first and foremost. If not, Adobe After Effects will be powerful enough to get you up and running with animations, unique backgrounds and the best part is you can import all your own images. 

While this is not a tutorial on how to use After Effects, some of the nifty things you can do is animate your logo as the intro. This is one component of presentations that I often find people overlook. Having a solid intro (5-10 seconds max) can give your video presentation that “branded feel.” Attached here is one I created for REMAX Brokerage.

In a multimedia presentation, several components work together to convey the main topic and points. To help the end user better consume the message, components that are frequently found in a multimedia presentation are:

Even if you opt to present a multimedia presentation vs. a written report, it is beneficial to include at least some text. There can’t be any presentation whether simple or multimedia which doesn’t contain text, simply because audience members benefit from a diverse set of data inputs (i.e. audio, visual, kinetic). That is why the text is a basic component of multimedia presentation. However, text can take several forms in multimedia presentations such as headlines, features list, and more. It does not have to be paragraphs that can be daunting to read.

Images and Photos:

Images (whether your own or stock photos) can be a great benefit to the overall presentation. I believe the saying goes “a picture tells 1000 words…” while this is certainly true, keep in mind that all components of a multimedia or video presentation should be used to support the other elements. Too much of a good thing can be just that…too much.

You also need to make sure that these visuals are of high enough quality for your audience to be able to enjoy them. Image resolution is an important factor in multimedia presentations – using images or videos with low resolution can make them look blurry and low-quality, which can ruin the overall effect of your presentation.

Background music and vocal narration are two other elements that can help bring a presentation to life. Music can not only help an audience pay more attention to the overall presentation but give it a bit more “pop.”

If you’re using a popular presentation software such as PowerPoint, dragging and dropping (or uploading) is one of the easiest ways to quickly add some dynamic movement. Research-Based Presentation Design Guidelines

Effective multimedia design is based on what we know about cognitive psychology. If you use visual aids like PowerPoint in your course videos, read the tips below.

This guide leverages relevant cognitive psychology research (discussed in our other article " Multimedia Learning Principles ") to provide specific, evidence-based recommendations for designing and delivering effective presentations. But your PowerPoint deck is only one part of your "educational performance," which, broadly speaking, is a fusion of pictures, text, and spoken words. To maximize learners' engagement, retention, and transfer of the material, all three elements must be strategically deployed.

This guide relies heavily on Richard Mayer's Multimedia Learning and Stephen Kosslyn's Clear and to the Point: 8 Psychological Principles for Compelling PowerPoint Presentations . Both authors apply similar foundations in cognitive psychology to generate best practices for designing effective multimedia learning materials.

We hope this guide will be particularly helpful to instructors creating lecture videos but should prove useful to those delivering synchronous or in-person presentations. 

The Short Version

Use images instead of text when possible., use high-resolution, royalty-free images., use no more than 4 bullets per slide., make objects appear only when mentioned., dim objects after they're discussed., draw attention to salient information., avoid using decorative images., when distributing, add alt text to images..

Based on his experiments investigating the efficacy of multimedia messages, Richard Mayer defines what he calls the Redundancy Principle: "People learn better from graphics and narration than from graphics, narration, and printed text" (118). Duplicative images and onscreen text lead to extraneous cognitive processing by learners both because they have more to look at onscreen and because they'll spend unconscious effort trying to compare what they're hearing and what they're seeing.

So what comes from Mayer appears to be a suggestion to use either an image OR words, but not both (though labels are fine if they're important). But we also know from neurological research that images and words end up getting encoded in different places in the brain, and that encoding imagery uses less cognitive effort than encoding words (Grady et al, 2706). (This is probably an evolutionary phenomenon, given the importance of retaining visual information in one's immediate environment.) So in some ways, research has proved that a picture really can be worth a thousand words.

What this boils down to is if you have an image that can represent your material, use that image exclusively on your slide and remove any text that might accompany it unless it's necessary for your students' understanding. It'll be "stickier" in the students' minds.

The bottom line: If an image can represent your slide content, use it exclusively on your slide without any onscreen text.

When using images, try to find the highest resolution you can. "Resolution" refers to the number of pixels that comprise the image. The more pixels there are, the more quality - and the greater the file size.

You can always shrink an image without reducing its quality, but don't increase its size over 100% or the original. If you do, the quality of the image will visibly decrease as it pixelates, which can either make it more difficult to understand or even unconsciously communicate "low quality" to your viewers!

In addition, when recording videos you should be particularly careful about using copyrighted images in your visual aids. While most course materials aren't public, Fair Use doesn't provide instructors with blanket protection from infringement and it's possible your video could get out. Try to use royalty-free image sites (such as Pixabay) to find an image that could work for you. You could also leverage the surprisingly robust features of your presentation software to design your own images, even by piecing together shapes. (Note that all of the imagery in this article was created using royalty-free images and PowerPoint.)

If it's truly necessary to use a copyrighted image in your slide, you should attempt to contact the publisher to obtain the appropriate permissions. If you find images under a Creative Commons license, be sure to abide by the license and cite appropriately.

The bottom line : Use high-resolution images if possible, and don't enlarge them above 100% of their original size. Use royalty-free imagery, attribute appropriately, or create your own images if needed.

If you've ever suffered from "Death by PowerPoint," you've probably experienced slides crammed full of text: sub-sub-bullets, complete sentences, entire paragraphs, or worse. This is most often the result of instructors using visual presentations as memory aids rather than as instructional tools for learners. We've all heard about the value of taking a student-centered approach to pedagogy; presentation design can embody that methodology.

With respect to determining how much text is appropriate, there are several cognitive psychology principles at work. As we discussed in our Multimedia Learning Principles article, we have two channels for processing a multimedia message. When presented with a large amount of text, the visual channel is oversaturated, and learners' verbal channels struggle to attend effectively to your words as they try to read what's on screen. They also spend cognitive effort comparing the printed and spoken words.

Also in our article on Multimedia Learning Principles, we discussed what occurs during active processing as well as the various types of cognitive load that learners experience. Given that active learning first necessitates the selection of relevant information from an instructional message, providing succinct text will help reduce students' germane load since you're doing some of the selection work for them.

So now that we know why less text is important, is it possible to quantify a recommendation?

A variety of studies have shown that humans can reliably retain 4 concepts in working memory - the so-called "rule of four." The brain can "chunk" information to improve retention, however, so each of these 4 concepts can have up to 4 component pieces of information.

So - we can retain information better when there are four or fewer units, and using recognizable groupings of more than four units helps to improve retention. With all of this in mind, a good rule of thumb is to try to restrict yourself to four or fewer bullets per slide, with four or fewer units of information contained within each bullet.

One way to quantify these "units" of information is to count the number of verbs and nouns (Kosslyn, 77). For example, the phrase "Use four bullets per slide" has 3 units of information: "use," "bullets," and "slide."

Another way to think about this: just use less text in your slides. It may not always be possible, but can be an important goal for which to strive, especially if it helps you break your presentation into more slides. Ultimately, though, remember that your visual aid is intended for your students - not to help you remember what you need to discuss. If possible (or if necessary), use your presentation software's "notes" feature to make sure you don't forget to discuss anything.

Remember what we discussed earlier, though: images tend to be "stickier" than words in long-term memory. If you can find a meaningful image that can replace some or all of the text on your slide, use that instead (using labels as needed, of course).

The bottom line : Try to use four or fewer bullets on a slide, each with four or fewer concepts. Favor images over text whenever appropriate.

Mayer's multimedia messaging experiments led him to what he termed the Temporal Contiguity Principle: "Students learn better when corresponding words and pictures are presented simultaneously rather than successively" (153). Mayer discusses this principle largely in the context of whether to present narration after or during a corresponding animation. While common sense might suggest that encountering the information twice in succession (in two different forms) would lead to better transfer and retention, it was instead when the narration and animation were presented simultaneously.

Now, chances are that you're not planning on narrating over a series of silent animated movies as your presentation - but it's important to remember that presentation software is, in and of itself, a kind of animation tool. Moving to a new slide is essentially a simple animation.

But in the context of the Temporal Contiguity Principle, think about a learner arriving on a slide that already has all of its visual content present at the start. With so much information for your learners to look at, you risk cognitive overload as they read the entire slide - including all the parts that may not yet be relevant or comprehensible - while also trying to process your spoken words.

Building your bullets and images one at a time provides visual cues to your learners about where you are in the presentation and what's relevant to the current moment of knowledge construction. Making clear what specific visual elements are related to what's being discussed maximizes your learners' ability to integrate what they see and what they hear simultaneously.

So, add simple animations to your slides. Leverage build-ins or entrance effects to have objects appear on your slide only when you mention them - bullets, images, graphs, shapes - anything. Stick to subtle effects like fade-ins or even just appearing unless a particular animation offers additional impact to your message.

As we discussed earlier, Mayer's Temporal Contiguity Principle implies that we should make information appear only when mentioned. Well, the converse is true as well: information that's already been discussed should be visually de-emphasized. In reinforcing where exactly you are within the visual information on your slide, you're reducing your learners' cognitive load by encouraging them to focus their efforts on a smaller set of visual information while also maintaining the conceptual connection with the previous information.

In his book providing detailed presentation design guidelines based on a similar set of cognitive psychology principles as Mayer, Stephen Kosslyn identifies seven high-level principles, one of which is the Principle of Salience: "Attention is drawn to large perceptible differences" (7). Given that our brains are wired to notice strong differences in contrast (such as this bold text ), de-emphasizing past information provides a cue to learners that you're moving on to other visual information on the slide and helps direct their attention appropriately.

You can de-emphasize objects onscreen by adding an "emphasis" (PowerPoint) or "action" (Keynote) animation to a bullet, such as reducing the opacity of the object to 25% (or increasing its transparency to 75%). Add the animation at the same time a new object appears.

The bottom line : Visually de-emphasize items that have already been discussed.

The Signaling Principle indicates that "People learn better when cues that highlight the organization of the essential material are added" (Mayer, 108). These cues, Mayer writes, "are intended to guide learners' attention to essential material and to guide learners' organization of the essential material into a coherent structure" (117). Leveraging what we discussed in our article about multimedia learning , signaling can reduce extraneous load, foster germane load, and assist with the selection and organization of materials that must occur during active learning.

While these cues can be verbal (such as explicitly stating where you are in your presentation based on an outline you presented at the start) the visual cues within your presentation play an extremely strong role in facilitating your students' understanding. For example, if you present a complex graph, do something either when designing your presentation (e.g. add arrows, labels, zoom in, etc.) or during your presentation (e.g. use your mouse as a pointer) to draw your learners' attention to the most important or relevant pieces of information.

While making objects appear and dim at the appropriate times highlights salient information as well, for more complex images it's important to draw learners' attention to the most relevant parts. As is often the case in effective presentation design, this helps reduce learners' extraneous load when presented with a surfeit of visual information.

The bottom line : design your slides with arrows, circles, or other visual cues that draw viewers' attention to particularly important details. Failing that, leverage pointers or other indicators during your recording.

Richard Mayer identifies three main categories of images that are helpful to learners: representational images, which portray an individual object; organizational images, which illustrate relationships between objects (or between parts of an object); and explanative images, which illustrate how a system works (236).

Decorative images, on the other hand, are "illustrations that are intended to interest the reader but that do not enhance the message of the passage" (Mayer, 236). They distract students from learning goals, add to their extraneous load, and squander their limited cognitive resources.

Now, on the surface, it may seem like adding some decorative imagery to your more text-heavy slides might be a good thing, to give them some visual interest and foster a little more engagement with your presentation. As Mayer points out, this is arousal theory: "the idea that students learn better when they are emotionally aroused by the material" (93). Unfortunately, decorative images end up becoming "seductive illustrations": images added solely to add some visual interest. Unfortunately research has confirmed that these details are retained better than the presentation's central points (Mayer, 97).

So, if an image - indeed, if any content - doesn't directly support the completion of your students' learning objectives, don't include it. While we do recommend using images instead of text when possible as well as using less text overall, don't include imagery for imagery's sake.

Remember - an effective multimedia message should be designed to create the conditions for maximal learning. Some of your slides may end up being less visually interesting, but especially when paired with our other tips, you'll be helping your learners spend their cognitive resources more effectively.

Given how deleterious decorative imagery can be to our cognitive resources, all the images you've included in your presentation should support your students' learning. If there are students who can't perceive that visual content, however, their learning is compromised compared to their classmates.

If you intend to distribute your presentation file digitally (for example, uploading it to your LMS for students to download), you should ensure that all the images included in the presentation have what's called "alt text": text-based metadata embedded into the image that displays onscreen when the image fails to load and that describes it for screen reader software. These image descriptions are essential in ensuring that your materials are accessible to learners with visual disabilities.

Adding alt text within many applications is often just a matter of right-clicking an image, clicking the appropriate menu option, and typing in a description. A good alt tag should be specific and concise. And while it should communicate the relevant part(s) of the image, it shouldn't require the learner to listen to a lengthy description.

The bottom line : Add alt tags to all images in presentations you intend to distribute digitally.

PowerPoint shouldn't be vilified or glorified. Presentation software is just a tool, and it could be used effectively or poorly to communicate a message. Kosslyn sums it up well in his book Clear and to the Point : "PowerPoint presentations can help people understand by making both memory and processing easier for them" (12).

It is true that presentations designed this way require more effort to produce. If you're struggling to devote the time needed in pre-production to make your slides more pedagogically effective, some low-hanging fruit you can bite off (so to speak) is to use tools during your presentation to draw your students' attention, such as turning your mouse cursor into a laser pointer. Let Kosslyn's principles of Salience and Discriminability remind you that "attention is drawn to large perceptible differences," and those differences "must differ by a large enough proportion or they will not be distinguished" (7-8).

It's important to note that if you abide by these research-based best practices, it's likely that your presentation won't work as effectively as a standalone artifact. It's not meant to. Your slide deck is part of a larger presentation that includes pictures, text, and spoken words, all employed strategically to maximize learning. If it's important that your presentation be legible on its own, consider developing an alternate version.

Designing Multimedia Presentations for Your Course

When designing an online course, I am often asked about recording videos for the course. While my response to this question is varied, my goal is to identify the purpose of what is being done and then to match that purpose to the most effective method for communicating the message to students. When deciding what is the “most effective” methodology, you have to consider a number of factors that include: the role of instructor presence, potential cognitive distractions, and the amount of effort to create the message.

Multimedia is more than just video 

There is more to multimedia than just video. Video is only one of four types of multimedia presentations. The other multimedia types are audio, voiceover slide presentations, and screencasting. When preparing a multimedia presentation, you will want to ensure that you are selecting the type that best meets your pedagogical needs (Crawford & Senecal, 2017).

Audio: Audio recordings are a great way to communicate with your students while allowing your enthusiasm and personality to assist in increasing your social presence in your course. This works particularly well for providing course announcements as well as weekly introductions and summaries. Another way that audio works well is when you can interview experts in the field. This can be particularly useful when meeting a subject matter expert at a conference or over a phone conversation.

Voiceover slide presentation: When you have a large amount of content to present to students, the most efficient way to do this is via a lecture (French & Kennedy, 2017). A well-designed slide presentation with a voiceover presentation works best in this situation as you can record audio one slide at a time. One thing to remember when using this approach is to avoid reading slides that are full of text. Instead, you will want to have as many images and graphs as reasonable with as few words as possible. This will allow the students to focus on what you are saying as you should be descriptive and explanatory. 

Screencasting: If you are providing a demonstration of a website or software package, you will want to capture video of the screen while narrating what you are doing and why in a screencast. Another thing to consider is that with a tablet, you can narrate a screencast of how to perform certain mathematical processes and formulas as you write them out. This would allow students to hear your talk through how to do a problem while demonstrating it at the same time. 

Video: While video can be used for all of the items mentioned above, it really excels in two areas. The first area is in establishing an instructor’s social presence as it can be an especially powerful way to build a connection to your students during a course and/or personal introduction. The second area that video is effective at is demonstrating processes and scenarios as they can be shown step-by-step in a way that allows students to see the entire process. And don't forget to add  captions  so that your video will be accessible for all learners. 

Design considerations

When chunking content into smaller pieces, you are not only assisting your student to better learn the content, but you are also making it easier to edit the content in the future.

Regardless of which multimedia type you choose, you will want to ensure that you have organized the content in a manner that will help your students learn the content. Both instructional design theory and educational research on multimedia provide guidance for us to follow. Cognitive load theory is based on the premise that a learner’s working memory has a limited capacity and that in order for something to be retained, a learner must have an opportunity to transfer this information from their working memory to long term memory. This learning theory guides us to reduce unnecessary distractions and encourages us to “chunk” content so that it can be more efficiently processed from working memory to long term memory (Tempelman-Kluit, 2006). In addition, by chunking the content into segments you are providing the learner with more control over their learning (Brame, 2015; Ljubojevic, Vaskovic, Stankovic, & Vaskovic, 2014).

When deciding the length of your multimedia presentation, there are multiple studies that have different suggestions. Some of these length suggestions include three to four minutes (Clossen, 2018), three to seven minutes (Buzzetto-More, 2014), six minutes (Guo, Kim, & Rubin, 2014), six to twelve minutes (Fishman, 2016), and under 15 minutes (Berg, Brand, Grant, Kirk, & Zimmerman, 2014). Regardless of the length of your presentations, the most important consideration is your content and what you are trying to communicate. When designing your presentations ask yourself if there are points where you want the learner to pause and reflect about what they have just seen and/or heard before moving forward to the next item. These points are a good place to consider ending one presentation and starting the next one. If the topic you are explaining has three parts, you might want to consider having a separate presentation for each part and then an additional presentation that shows how the three parts interrelate.

When chunking content into smaller pieces, you are not only assisting your student to better learn the content, but you are also making it easier to edit the content in the future. It is easier to re-record a single six-minute presentation than it is to revise a sixty-minute presentation.

Multimedia and the Quality Matters Rubric

When making decisions regarding the use of multimedia, there are several Quality Matters Specific Review Standards (SRS) that should be considered.  HE SRS 4.5/K-12 4.4 C states that “A variety of instructional materials is used in the course” and HE SRS 6.3 states “A variety of technology is used in the course” (Quality Matters, 2018). Any multimedia presentations you create for your course will be considered by reviewers to support these Standards. While it may be easy to use pre-existing materials from other online resources and publishers, you will want to, at a minimum, supplement those materials with other instructional presentations that you have created. 

Another review standard to consider is HE SRS 8.5/K-12 8.5 T, “Course multimedia facilitates ease of use” (Quality Matters, 2018). To help meet this Standard, you will want to ensure that you have reduced distractions by providing visuals that are purposeful by either establishing instructor presence or focusing the attention on the content being presented. For example, when you are providing a lecture, a voiceover slide presentation that contains visuals or keywords related to the content is better than a video of you just speaking into the camera. In addition, you will want to ensure that you have appropriately segmented your multimedia presentation by chunking them.

Do You Have What It Takes to Give a Great Presentation?

Three skills anyone can learn.

Great presentations are all about how well you engage your audience. Here are three ways to do that:

  • Be balanced: Strike the right balance between structure and improvisation during your presentation. Rather than preparing your content in a narrative form, take the time to segment it by topic. Leave room to respond to your audience’s immediate needs, even if that means going off script for a while.
  • Be generous: You goal should be to offer your audience something of value. Let this  principle guide the content you choose to present.
  • Be human: Rehearse to familiarize yourself with your content, but do not memorize it. If you go blank for a moment, don’t apologize and act flustered, just pause, take a breath, collect your thoughts and continue on. Your audience wants you to be relatable.

Industry events are a chance to network with your colleagues and impress distributors — but to really make the most of your time at a conference, you need to learn how to prepare a presentation that engages, informs and leaves an impact.

I've presented at some of the most important real estate and property technology events in the country as the founder of ButterflyMX . Here are a few tricks I've picked up along the way to wow any audience.

1. Getting comfortable with the stage

I recommend taking a walk around the stage before your presentation. By familiarizing yourself with your environment, you can prepare yourself better.

And while you're on stage, a relaxed, comfortable presence goes a long way in keeping your audience engaged . Whether you want to play your presentation casually or more formally, audiences can sense discomfort, which prevents them from fully connecting with your message.

To project your sense of comfortability, focus on your body language . You can project confidence by speaking slowly and clearly and by walking across the stage to keep the audience's attention — even if there's already a podium or lectern set up on stage.

Unfortunately, if a speaker spends too long standing behind the podium, an audience might interpret that as a sign of indecision and inaction from the speaker. Instead, you can remove any barriers between yourself and the audience by using the whole length of the stage.

2. Familiarity with industry statistics

An audience that doesn't know me might be wondering why they should be taking my advice. I certainly don't blame them. When I'm watching a new presenter, I ask the same question.

If you can back up your claims with hard data, your presentation will ring true with listeners. You can cite industry-wide statistics or establish your own bona fides by citing stats that buttress your own credibility by establishing your company's success.

In my case, I'm happy to use a couple of statistics that prove how successful my company, ButterflyMX, is in the proptech industry. 3. Knowing your audience

Depending on who your audience is , you'll have to adjust your game plan and prepare for different things.

I've spoken at conferences where the audiences couldn't be more different — a presentation that wows one crowd might have no information that's applicable to another. As the founder of a property technology company, I have the pleasure of speaking at a variety of different conferences that serve different markets.

For example, integrators and installers might value a talk on product features and hardware more than others. And if I'm presenting to an audience of property managers, I'll know to dial down the technical talk and focus on the benefits a robust video intercom offers, such as simplifying their day-to-day workloads.

Depending on your audience, you need to strike the right balance between talking about hardware specs and features.

4. Designing your slides carefully

Slides are a good opportunity to share the aesthetics, tone and values of your company — but you've got to make sure you use them effectively.

A slide with too much text looks busy, and it'll distract your audience and draw focus away from you. Instead, consider putting that information into your notes and speaking it aloud. Slides should focus on one or two visual elements, like bullet points, charts and graphs.

As for the actual design of your slides, you should ensure that you adhere to your company's brand guidelines. If you're unfamiliar with the concept, brand guidelines are a single, governing document that goes over important design concepts like the colors and logos that your company has.

5. Asking for audience participation

Asking for audience participation is the ultimate way to ensure everybody is locked in and paying attention — but it's also a double-edged sword. You also need to be prepared in case asking the audience to participate doesn't necessarily go your way.

For example, you might generally ask if an audience has any questions at the end of your presentation. But you run the risk of running into a hostile, bad-faith question — or you might even be met with silence.

That's why I'd recommend you give the audience questions and tasks that have a little more structure. You could do things like asking for a show of hands, asking for specific anecdotes or taking a poll.

Polls have gotten an especially high-tech upgrade recently — see if you can set up an electronic voting system that allows audience members to vote with their smartphones. Then, you'd be able to throw the results on screen and watch them update in real time!

You should pepper these interactive sections throughout your presentation to ensure that audiences are engaged throughout your entire talk.

Selecting the appropriate design theme sets the tone for a professional presentation. PowerPoint offers a wide variety of themes to choose from. We can find themes by navigating to Design > Themes in the PowerPoint desktop app.

We should consider the topic and audience when picking a theme. For instance, a business presentation might benefit from a clean, minimalist theme, while a more creative topic could use a vibrant, colorful one.

Also, it’s essential to maintain consistency throughout the presentation. Here’s a quick tip: Apply the chosen theme to all slides by selecting Design > Apply to All Slides .

Implementing Effective Source Formatting

Ensuring consistency in formatting across all slides enhances the overall look. We can copy and paste source formatting from one slide to another using tools like Format Painter . This tool is available under Home > Format Painter .

To copy slide formatting:

  • Select the slide with the desired formatting.
  • Click on Format Painter.
  • Click on the slides to which you want to apply the formatting.

For copying entire slides from another presentation, open both presentations in the PowerPoint desktop app. In the source presentation, right-click on the slide thumbnail and select Copy Slide . Then, paste the slide in the destination presentation. This process ensures the formatting and design elements remain intact.

This consistency reinforces our message and keeps our audience focused.

When we want to maintain consistent styling across presentations, the Reuse Slides feature comes in handy. We can open the destination presentation and navigate to the Home tab.

Select Reuse Slides from the New Slide dropdown menu.

The Reuse Slides Pane will open on the right. Here, we can browse for the source presentation. Clicking on a slide will insert it into our current presentation while preserving the original formatting.

This feature helps us save time and ensure all our slides look unified, whether we’re using Microsoft 365 or PowerPoint for the web . With it, we don’t have to worry about manually adjusting design elements every time we import a slide.

Mastering Slide Arrangement Techniques

Once we’ve imported slides, arranging them efficiently is crucial. Using the Slide Sorter view, accessible from the View tab, allows us to see all our slides at once. This visual overview helps in organizing the slides logically.

We can also use Normal View for a more detailed look at each slide. By selecting multiple slides with Shift+Click, we easily move entire sections around.

Another powerful tool is the Arrange All option in the View tab. This allows us to work on multiple presentations side-by-side, simplifying the process of transferring slides while maintaining the flow and consistency of our presentation.

Efficient Slide Handling and Navigation

Efficient handling and navigation of slides in PowerPoint significantly enhance productivity. This section will discuss key strategies for effectively moving, copying, and managing slides.

Navigating Between Different Views

When juggling multiple slides, navigating between different views is essential. In PowerPoint, the Normal view is highly functional as it displays the slides pane, offering a clear thumbnail view of each slide. This aids in quickly selecting the slides we need.

The Slide Sorter view provides a bird’s-eye view, making it easier to move and copy slides. To access Slide Sorter, click on the View tab on the ribbon and select Slide Sorter . This allows us to see all slides at once, facilitating efficient reorganization.

To toggle between these views quickly, use the shortcuts Alt + W, L for Normal view and Alt + W, I for Slide Sorter view on Windows. On a Mac, use Cmd + 1 for Normal view and Cmd + 2 for Slide Sorter view.

Optimizing Your Workflow with Shortcuts

Leveraging shortcuts can streamline our workflow significantly. For instance, to copy a slide, select the desired slide thumbnail and press Ctrl + C for Windows or Cmd + C for Mac. To paste the slide, use Ctrl + V or Cmd + V respectively.

In PowerPoint 2019, inserting a video is straightforward—just go to the Insert tab , choose Video , and select the desired file.

Animations are another powerful tool. They can help emphasize points or make data flow logically on a single slide. When using animations, keep feedback in mind so they enhance, rather than distract from our message.

Interactive pictures can also make a presentation more engaging. Instead of static images, we can use animated GIFs or create clickable hotspots that link to detailed information slides or external resources. Using PowerPoint’s built-in editing tools , we can overlay text and shapes onto images, creating interactive and compelling visuals.

While PowerPoint 2013 and 2019 are robust tools, sometimes we need something different. Google Slides is a popular alternative, offering seamless collaboration and cloud-based accessibility. Its interface is intuitive, and it supports real-time feedback and edits from multiple users, making it ideal for team projects.

For those who need highly customizable and visually striking graphics, Prezi offers a unique approach with its zoomable canvas. This tool lets us create dynamic, flowing narratives that can stand out in a sea of linear slide presentations.

Additionally, Keynote is perfect for those integrated into the Apple ecosystem, providing powerful design tools and templates. Its smooth transitions and ease of use make it a strong contender.
