Five tips to set yourself apart.

Never underestimate the power of great communication. It can help you land the job of your dreams, attract investors to back your idea, or elevate your stature within your organization. But while there are plenty of good speakers in the world, you can set yourself apart out by being the person who can deliver something great over and over. Here are a few tips for business professionals who want to move from being good speakers to great ones: be concise (the fewer words, the better); never use bullet points (photos and images paired together are more memorable); don’t underestimate the power of your voice (raise and lower it for emphasis); give your audience something extra (unexpected moments will grab their attention); rehearse (the best speakers are the best because they practice — a lot).

How to Give Effective Presentation Feedback

Giving an effective scientific presentation, like all public speaking, is an acquired skill that takes practice to perfect. When delivered successfully, an oral presentation can be an invaluable opportunity to showcase your latest research results among your colleagues and peers. It can also promote attendee engagement and help audience members retain the information being presented, enhancing the educational benefit of your talk, according to Sam J. ­Lubner, MD, FACP , Associate Professor of Medicine and Program Director, Hematology-Oncology Fellowship, at the University of Wisconsin Carbone Cancer Center, and a member of ASCO’s Education Council.

In 2019, the Education Council launched a pilot program to provide a group of selected speakers at the ASCO Annual Meeting with feedback on their presentations. Although some of the reviewers, which included members of the Education Council and Education Scholars Program, as well as ASCO’s program directors, conveyed information to the presenters that was goal-referenced, tangible, transparent, actionable, specific, and personalized—the hallmarks of effective feedback—others provided comments that were too vague to improve the speaker’s performance, said Dr. Lubner. For example, they offered comments such as “Great session” or “Your slides were too complicated,” without being specific about what made the session “great” or the slides “too complicated.”

“Giving a presentation at a scientific meeting is different from what we were trained to do. We’re trained to take care of patients, and while we do have some training in presentation, it usually centers around how to deliver clinical information,” said Dr. Lubner. “What we are trying to do with the Education Council’s presentation feedback project is to apply evidence-based methods for giving effective feedback to make presentations at ASCO’s Annual Meeting, international meetings, symposia, and conferences more clinically relevant and educationally beneficial.”

The ASCO Post talked with Dr. Lubner about how to give effective feedback and how to become a more effective presenter.

Defining Effective Feedback

Feedback is often confused with giving advice, praise, and evaluation, but none of these descriptions are exactly accurate. What constitutes effective feedback?

When I was looking over the literature on feedback to prepare myself on how to give effective feedback to the medical students and residents I oversee, I was amazed to find the information is largely outdated. For example, recommendations in the 1980s and 1990s called for employing the “sandwich” feedback method, which involves saying something positive, then saying what needs to be improved, and then making another positive remark. But that method is time-intensive, and it feels disingenuous to me.

What constitutes helpful feedback to me is information that is goal-referenced, actionable, specific, and has immediate impact. It should be constructive, descriptive, and nonjudgmental. After I give feedback to a student or resident, my next comments often start with a self-reflective question, “How did that go?” and that opens the door to further discussion. The mnemonic I use to provide better feedback and achieve learning goals is SMART: specific, measurable, achievable, realistic, and timely, as described here:

  • Specific: Avoid using ambiguous language, for example, “Your presentation was great.” Be specific about what made the presentation “great,” such as, “Starting your presentation off with a provocative question grabbed my attention.”
  • Measurable: Suggest quantifiable objectives to meet so there is no uncertainty about what the goals are. For example, “Next time, try a summary slide with one or two take-home points for the audience.”
  • Achievable: The goal of the presentation should be attainable. For example, “Trim your slides to no more than six lines per slide and no more than six words per line; otherwise, you are just reading your slides.”
  • Realistic: The feedback you give should relate to the goal the presenter is trying to achieve. For example, “Relating the research results back to an initial case presentation will solidify the take-home point that for cancer x, treatment y is the best choice.”
  • Timely: Feedback given directly after completion of the presentation is more effective than feedback provided at a later date.

The ultimate goal of effective feedback is to help the presenter become more adept at relaying his or her research in an engaging and concise way, to maintain the audience’s attention and ensure that they retain the information presented.

Honing Your Communication Skills

What are some specific tips on how to give effective feedback?

There are five tips that immediately come to mind: (1) focus on description rather than judgment; (2) focus on observation rather than inference; (3) focus on observable behaviors; (4) share both positive and constructive specific points of feedback with the presenter; and (5) focus on the most important points to improve future ­presentations.

Becoming a Proficient Presenter

How can ASCO faculty become more proficient at delivering their research at the Annual Meeting and at ASCO’s thematic meetings?

ASCO has published faculty guidelines and best practices to help speakers immediately involve an audience in their presentation and hold their attention throughout the talk. They include the following recommendations:

  • Be engaging. Include content that will grab the audience’s attention early. For example, interesting facts, images, or a short video to hold the audience’s focus.
  • Be cohesive and concise. When preparing slides, make sure the presentation has a clear and logical flow to it, from the introduction to its conclusion. Establish key points and clearly define their importance and impact in a concise, digestible manner.
  • Include take-home points. Speakers should briefly summarize key findings from their research and ensure that their conclusion is fully supported by the data in their presentation. If possible, they should provide recommendations or actions to help solidify their message. Thinking about and answering this question—if the audience remembers one thing from my presentation, what do I want it to be?—will help speakers focus their presentation.
  • When it comes to slide design, remember, less is more. It’s imperative to keep slides simple to make an impact on the audience.

Another method to keep the audience engaged and enhance the educational benefit of the talk is to use the Think-Pair ( ± Share) strategy, by which the speaker asks attendees to think through questions using two to three steps. They include:

  • Think independently about the question that has been posed, forming ideas.
  • Pair to discuss thoughts, allowing learners to articulate their ideas and to consider those of others.
  • Share (as a pair) the ideas with the larger group.

The value of this exercise is that it helps participants retain the information presented, encourages individual participation, and refines ideas and knowledge through collaboration.

RECOMMENDATIONS FOR SLIDE DESIGN

  • Have a single point per line.
  • Use < 6 words per line.
  • Use < 6 lines per slide.
  • Use < 30 characters per slide.
  • Use simple words.
  • When using tables, maintain a maximum of 6 rows and 6 columns.
  • Avoid busy graphics or tables. If you find yourself apologizing to the audience because your slide is too busy, it’s a bad slide and should not be included in the presentation.
  • Use cues, not full thoughts, to make your point.
  • Keep to one slide per minute as a guide to the length of the presentation.
  • Include summary/take-home points per concept. We are all physicians who care about our patients and believe in adhering to good science. Highlight the information you want the audience to take away from your presentation and how that information applies to excellent patient care.

Speakers should also avoid using shorthand communication or dehumanizing language when describing research results. For example, do not refer to patients as a disease: “The study included 250 EGFR mutants.” Say instead, “The study included 250 patients with EGFR -mutant tumors.” And do not use language that appears to blame patients when their cancer progresses after treatment, such as, “Six patients failed to respond to [study drug].” Instead say, “Six patients had tumors that did not respond to [study drug].”

We all have respect for our patients, families, and colleagues, but sometimes our language doesn’t reflect that level of respect, and we need to be more careful and precise in the language we use when talking with our patients and our colleagues.

ASCO has developed a document titled “The Language of Respect” to provide guidance on appropriate respectful language to use when talking with patients, family members, or other health-care providers and when giving presentations at the Annual Meeting and other ASCO symposia. Presenters should keep these critical points in mind and put them into practice when delivering research data at these meetings. ■

How to prepare and deliver an effective oral presentation

The success of an oral presentation lies in the speaker’s ability to transmit information to the audience. Lucia Hartigan and colleagues describe what they have learnt about delivering an effective scientific oral presentation from their own experiences, and their mistakes

The objective of an oral presentation is to portray large amounts of often complex information in a clear, bite sized fashion. Although some of the success lies in the content, the rest lies in the speaker’s skills in transmitting the information to the audience. 1

Preparation

It is important to be as well prepared as possible. Look at the venue in person, and find out the time allowed for your presentation and for questions, and the size of the audience and their backgrounds, which will allow the presentation to be pitched at the appropriate level.

See what the ambience and temperature are like and check that the format of your presentation is compatible with the available computer. This is particularly important when embedding videos. Before you begin, look at the video on stand-by and make sure the lights are dimmed and the speakers are functioning.

For visual aids, Microsoft PowerPoint or Apple Mac Keynote programmes are usual, although Prezi is increasing in popularity. Save the presentation on a USB stick, with email or cloud storage backup to avoid last minute disasters.

When preparing the presentation, start with an opening slide containing the title of the study, your name, and the date. Begin by addressing and thanking the audience and the organisation that has invited you to speak. Typically, the format includes background, study aims, methodology, results, strengths and weaknesses of the study, and conclusions.

If the study takes a lecturing format, consider including “any questions?” on a slide before you conclude, which will allow the audience to remember the take home messages. Ideally, the audience should remember three of the main points from the presentation. 2

Have a maximum of four short points per slide. If you can display something as a diagram, video, or a graph, use this instead of text and talk around it.

Animation is available in both Microsoft PowerPoint and the Apple Mac Keynote programme, and its use in presentations has been demonstrated to assist in the retention and recall of facts. 3 Do not overuse it, though, as it could make you appear unprofessional. If you show a video or diagram don’t just sit back—use a laser pointer to explain what is happening.

Rehearse your presentation in front of at least one person. Request feedback and amend accordingly. If possible, practise in the venue itself so things will not be unfamiliar on the day. If you appear comfortable, the audience will feel comfortable. Ask colleagues and seniors what questions they would ask and prepare responses to these questions.

It is important to dress appropriately, stand up straight, and project your voice towards the back of the room. Practise using a microphone, or any other presentation aids, in advance. If you don’t have your own presenting style, think of the style of inspirational scientific speakers you have seen and imitate it.

Try to present slides at the rate of around one slide a minute. If you talk too much, you will lose your audience’s attention. The slides or videos should be an adjunct to your presentation, so do not hide behind them, and be proud of the work you are presenting. You should avoid reading the wording on the slides, but instead talk around the content on them.

Maintain eye contact with the audience and remember to smile and pause after each comment, giving your nerves time to settle. Speak slowly and concisely, highlighting key points.

Do not assume that the audience is completely familiar with the topic you are passionate about, but don’t patronise them either. Use every presentation as an opportunity to teach, even your seniors. The information you are presenting may be new to them, but it is always important to know your audience’s background. You can then ensure you do not patronise world experts.

To maintain the audience’s attention, vary the tone and inflection of your voice. If appropriate, use humour, though you should run any comments or jokes past others beforehand and make sure they are culturally appropriate. Check every now and again that the audience is following and offer them the opportunity to ask questions.

Finishing up is the most important part, as this is when you send your take home message with the audience. Slow down, even though time is important at this stage. Conclude with the three key points from the study and leave the slide up for a further few seconds. Do not ramble on. Give the audience a chance to digest the presentation. Conclude by acknowledging those who assisted you in the study, and thank the audience and organisation. If you are presenting in North America, it is usual practice to conclude with an image of the team. If you wish to show references, insert a text box on the appropriate slide with the primary author, year, and paper, although this is not always required.

Answering questions can often feel like the most daunting part, but don’t look upon this as negative. Assume that the audience has listened and is interested in your research. Listen carefully, and if you are unsure about what someone is saying, ask for the question to be rephrased. Thank the audience member for asking the question and keep responses brief and concise. If you are unsure of the answer you can say that the questioner has raised an interesting point that you will have to investigate further. Have someone in the audience who will write down the questions for you, and remember that this is effectively free peer review.

Be proud of your achievements and try to do justice to the work that you and the rest of your group have done. You deserve to be up on that stage, so show off what you have achieved.

Oral Presentations

A common assignment in technical writing courses—not to mention in the workplace—is to prepare and deliver an oral presentation, a task most of us would be happy to avoid. However, while employers look for coursework and experience in preparing written documents,  they also look for experience in oral presentations as well. Look back at the first chapter. Remember how important interpersonal communication skills are in the workplace.

The following was written for a standard face-to-face classroom setting. If you are taking an online technical writing course, oral reports can be sent in as “scripts,” or audio versions can be transmitted live or recorded. In any case, students may evaluate each other’s oral reports by filling out a form like the one provided at the end of this chapter or responding through the discussion board.

If you can believe the research, most people would rather have root canal surgery without novocaine than stand up in front of a group and speak. It truly is one of the great stressors. But with some help from the resources that follow, you can be a champion presenter.

Topic and Situation for the Oral Presentation

For the oral report in a technical writing course, imagine that you are formally handing over your final written report to the people with whom you set up the hypothetical contract or agreement. For example, imagine that you had contracted with a software company to write its user guide. Once you had completed it, you’d have a meeting with chief officers to formally deliver the guide. You’d spend some time orienting them to the guide, showing them how it is organized and written, and discussing some of its highlights. Your goal is to get them acquainted with the guide and to prompt them for any concerns or questions. (Your class will gladly pretend to be whoever you tell them to be during your talk.)

As you can see, you shouldn’t have to do any research to prepare for this assignment—just plan the details of your talk and get at least one visual ready. If you have a report topic that you’d prefer not to present orally, discuss other possibilities with your instructor. Here are some brainstorming possibilities in case you want to present something else:

  • Informative purpose: An oral report can be primarily informative. For example, as a member of a committee involved in a project to relocate the plant, your job might be to give an oral report on the condition of the building and grounds at one of the sites proposed for purchase. Or, you might be required to go before the city council and report on the success of the new city-sponsored recycling project.
  • Instructional purpose: An oral report can be instructional. Your task might be to train new employees to use certain equipment or to perform certain routine tasks.
  • Persuasive purpose: An oral report can be persuasive. You might want to convince members of local civic organizations to support a city-wide recycling program. You might appear before the city council to persuade its members to reserve certain city-owned lands for park areas, softball and baseball parks, or community gardens.
  • Topics: You can start by thinking of a technical subject, for example, solar panels, microprocessors, drip irrigation, or laser surgery. For your oral report, think of a subject you’d be interested in talking about, but find a reason why an audience would want to hear your oral report.
  • Place or situation: You can find topics for oral reports or make more detailed plans for them by thinking about the place or the situation in which your oral report might naturally be given: at a neighborhood association? at the parent–teachers’ association meeting? at a church meeting? at the gardening club? at a city council meeting? at a meeting of the board of directors or high-level executives of a company? Thinking about an oral report this way makes you focus on the audience, their reasons for listening to you, and their interests and background. As in all technical writing situations, identifying and understanding your audience is of the utmost importance.

Content and Requirements for the Oral Presentation

The focus for your oral presentation is clear, understandable presentation; well-organized, well-planned, well-timed discussion. You don’t need to be Mr. or Ms. Slick-Operator—just present the essentials of what you have to say in a calm, organized, well-planned manner.

When you give your oral presentation, we’ll all be listening for the same things. Use the following as a requirements list, as a way of focusing your preparations:

  • Situation : Plan to explain to the class what the situation of your oral report is, who you are, and who they should imagine they are. Make sure that there is a clean break between this brief explanation and the beginning of your actual oral report.
  • Timing : Make sure your oral report lasts no longer than the time allotted. Your instructor will work out some signals to indicate when the mark is approaching, has arrived, or has passed.
  • Indicate the purpose of your oral report
  • give an overview of its contents
  • find some way to interest the audience
  • Visuals : Use at least one visual—preferably slides using presentation software (such as Powerpoint) or transparencies for the overhead projector. Flip charts and objects for display are okay, but avoid scribbling stuff on the chalkboard or whiteboard or relying strictly on handouts. Make sure you discuss key elements of your visuals. Don’t just throw them up there and ignore them. Point out things about them; explain them to the audience.
  • Explanation : Plan to explain any technical aspect of your topic clearly and understandably. Don’t race through complex, technical stuff—slow down and explain it carefully so that we understand it.
  • Transitions : Use “verbal headings”—by now, you’ve gotten used to using headings in your written work. There is a corollary in oral reports. With these, you give your audience a very clear signal you are moving from one topic or part of your talk to the next  Your presentation visual can signal your headings.
  • Planning : Plan your report in advance and practice it so that it is organized. Make sure that listeners know what you are talking about and why, which part of the talk you are in, and what’s coming next. Overviews and verbal headings greatly contribute to this sense of organization.
  • summarize (go back over high points of what you’ve discussed)
  • conclude (state some logical conclusion based on what you have presented)
  • provide some last thought (end with some final interesting point but general enough not to require elaboration)
  • or some combination of these three
  • Questions : And certainly, you’ll want to prompt the audience for questions and concerns.
  • Timing (again) : As mentioned above, be sure your oral report is carefully timed. Some ideas on how to work within an allotted time frame are presented in the next section.

Preparing for the Oral Presentation

Pick the method of preparing for the talk that best suits your comfort level with public speaking and with your topic. However, plan to do ample preparation and rehearsal—some people assume that they can just jump up there and ad-lib for so many minutes and be relaxed and informal. It doesn’t often work that way—drawing a mental blank is the more common experience. A well-delivered presentation is the result of a lot of work and a lot of practice.

Here are the obvious possibilities for preparation and delivery:

  • Write a script, practice it; keep it around for quick-reference during your talk.
  • Set up an outline of your talk; practice with it, bring it for reference.
  • Set up cue cards, practice with them, and use them during your talk.
  • Write a script and read from it.

Of course, the extemporaneous or impromptu methods are also out there for the brave and the adventurous. However, please bear in mind that up to 25 people will be listening to you—you owe them a good presentation, one that is clear, understandable, well-planned, organized, and on target with your purpose and audience.

It doesn’t matter which method you use to prepare for the talk, but you want to make sure that you know your material.  The head-down style of reading your report directly from a script has problems. There is little or no eye contact or interaction with the audience. The delivery tends toward a dull, boring monotone that either puts listeners off or is hard to understand. And, most of us cannot stand to have reports read to us!

For many reasons, most people get nervous when they have to give oral presentations. Being well prepared is your best defense against the nerves. Try to remember that your classmates and instructor are a very forgiving, supportive group. You don’t have to be a slick entertainer—just be clear, organized, and understandable. The nerves will wear off someday, the more oral presenting you do. In the meantime, breathe deeply and enjoy.

The following is an example of an introduction to an oral presentation. Use it as a guide for planning your own.

Oral Presentation: Enhancement of the Recycling Program

Valerie and I represent the Austin Coalition for Recycling, a group that was founded in the late 1960s, partly in response to rising utility bills and partly out of a concern for the environment and its resources. High utility bills not only hurt each of us in our pocketbooks but also hurt the quality of life of our city as a whole.

We are all particularly proud of what a fine city we live in and what wonderful citizen involvement there is herein a whole range of civic activities. These things make our city special and ought to be the force that enables us to make a recycling program an integral part of the city’s waste management program. Backed by the City, a new powerful recycling program will contribute enormously to keeping Austin the wonderful place it is.

Valerie and I want to talk to you about how recycling works currently, how it will work once integrated with the city’s waste management program, how this integration will benefit our city, and what you can do to support this plan.

Delivering an Oral Presentation

When you give an oral report, focus on common problem areas such as these:

  • Timing —Make sure you keep within the time limit. Finishing more than a minute under the time limit is also a problem. Rehearse, rehearse, rehearse until you get the timing just right.
  • Volume —Obviously, you must be sure to speak loud enough so that all of your audience can hear you. You might find some way to practice speaking a little louder in the days before the oral presentation.
  • Pacing, speed —Sometimes, oral presentators who are nervous talk too fast. All that adrenaline causes them to speed through their talk, making it hard for the audience to follow. In general, it helps listeners  understand you better if you speak a bit more slowly and deliberately than you do in normal conversation. Slow down, take it easy, be clear…and breathe.
  • Gestures and posture —Watch out for nervous hands flying all over the place. This too can be distracting—and a bit comical. At the same time, don’t turn yourself into a mannequin. Plan to keep your hands clasped together or holding onto the podium and only occasionally making some gesture. Definitely keep your hands out of your pockets or waistband. As for posture, avoid slouching at the podium or leaning against the wall. Stand up straight, and keep your head up.
  • Verbal crutches —Watch out for too much “uh,” “you know,” “okay” and other kinds of nervous verbal habits. Instead of saying “uh” or “you know” every three seconds, just don’t say anything at all. In the days before your oral presentation, practice speaking without these verbal crutches. The silence that replaces them is not a bad thing—it gives listeners time to process what you are saying.

The following is an example of how topic headings can make your presentation easy for your listeners to follow.

As you can see from the preceding, our fairly average-size city produces a surprisingly large amount of solid waste. What is the cost of getting rid of it? I can tell you from the start that it is not cheap…

The next sentence indicates that the speaker is moving on to a new topic (“cost”).

Planning and Preparing Visuals for the Oral Presentation

Prepare at least one visual for this report. Here are some ideas for the “medium” to use for your visuals:

  • Presentation software slides —Projecting images (“slides”) using software such as Powerpoint has become the standard, even though maligned by some. One common problem with the construction of these slides is cramming too much information on individual slides. A quick search on terms like Powerpoint presentation will enable you to read about creating these slides and designing them intelligently. Of course, the room in which you use these slides has to have a computer projector.
  • Transparencies for overhead projector —The overhead projector used with transparencies seems to have been relegated to antiquity—but not entirely. If you have to use this method, you will design your visual on a sheet of blank paper, then photocopy it, and create a transparency of it.
  • Posterboard-size charts —Another possibility is to get some poster board and draw and letter what you want your audience to see. Of course, it’s not easy making charts look neat and professional.
  • Handouts —You can run off copies of what you want your listeners to see and hand them out before or during your talk. This option is even less effective than the first two because you can’t point to what you want your listeners to see and because handouts distract listeners’ attention away from you. Still, for certain visual needs, handouts are the only choice. Keep in mind that if you are not well prepared, the handouts become a place for your distracted audience to doodle.
  • Objects —If you need to demonstrate certain procedures, you may need to bring in actual physical objects. Rehearse what you are going to do with these objects; sometimes they can take up a lot more time than you expect.

Avoid just scribbling your visual on the chalkboard or whiteboard. Whatever you scribble can be neatly prepared and made into a presentation slide, transparency, or posterboard-size chart. Take some time to make your visuals look sharp and professional—do your best to ensure that they are legible to the entire audience.

As for the content of your visuals, consider these ideas:

  • Drawing or diagram of key objects —If you describe or refer to any objects during your talk, try to get visuals of them so that you can point to different components or features.
  • Tables, charts, graphs —If you discuss statistical data, present it in some form or table, chart, or graph. Many members of your audience may be less comfortable “hearing” such data as opposed to seeing it.
  • Outline of your talk, report, or both —If you are at a loss for visuals to use in your oral presentation, or if your presentation is complex, have an outline of it that you can show at various points during your talk.
  • Key terms and definitions —A good idea for visuals (especially when you can’t think of any others) is to set up a two-column list of key terms you use during your oral presentation with their definitions in the second column.
  • Key concepts or points —Similarly, you can list your key points and show them in visuals. (Outlines, key terms, and main points are all good, legitimate ways of incorporating visuals into oral presentations when you can’t think of any others.)

During your actual oral report, make sure to discuss your visuals, refer to them, guide your listeners through the key points in your visuals. It’s a big problem just to throw a visual up on the screen and never even refer to it.

As you prepare your visuals, look at resources that will help you. There are many rules for using PowerPoint, down to the font size and how many words to put on a single slide, but you will have to choose the style that best suits your subject and your presentation style.

Using oral presentations to assess learning

Introduction.

Oral presentations are a form of assessment that calls on students to use the spoken word to express their knowledge and understanding of a topic. It allows capture of not only the research that the students have done but also a range of cognitive and transferable skills.

Different types of oral presentations

A common format is in-class presentations on a prepared topic, often supported by visual aids in the form of PowerPoint slides or a Prezi, with a standard length that varies between 10 and 20 minutes. In-class presentations can be performed individually or in a small group and are generally followed by a brief question and answer session.

Oral presentations are often combined with other modes of assessment; for example oral presentation of a project report, oral presentation of a poster, commentary on a practical exercise, etc.

Also common is the use of PechaKucha, a fast-paced presentation format consisting of a fixed number of slides that are set to move on every twenty seconds (Hirst, 2016). The original version was of 20 slides resulting in a 6 minute and 40 second presentation, however, you can reduce this to 10 or 15 to suit group size or topic complexity and coverage. One of the advantages of this format is that you can fit a large number of presentations in a short period of time and everyone has the same rules. It is also a format that enables students to express their creativity through the appropriate use of images on their slides to support their narrative.

When deciding which format of oral presentation best allows your students to demonstrate the learning outcomes, it is also useful to consider which format closely relates to real world practice in your subject area.

What can oral presentations assess?

The key questions to consider include:

  • what will be assessed?
  • who will be assessing?

This form of assessment places the emphasis on students’ capacity to arrange and present information in a clear, coherent and effective way’ rather than on their capacity to find relevant information and sources. However, as noted above, it could be used to assess both.

Oral presentations, depending on the task set, can be particularly useful in assessing:

  • knowledge skills and critical analysis
  • applied problem-solving abilities
  • ability to research and prepare persuasive arguments
  • ability to generate and synthesise ideas
  • ability to communicate effectively
  • ability to present information clearly and concisely
  • ability to present information to an audience with appropriate use of visual and technical aids
  • time management
  • interpersonal and group skills.

When using this method you are likely to aim to assess a combination of the above to the extent specified by the learning outcomes. It is also important that all aspects being assessed are reflected in the marking criteria.

In the case of group presentation you might also assess:

  • level of contribution to the group
  • ability to contribute without dominating
  • ability to maintain a clear role within the group.

As with all of the methods described in this resource it is important to ensure that the students are clear about what they expected to do and understand the criteria that will be used to asses them. (See Ginkel et al, 2017 for a useful case study.)

Although the use of oral presentations is increasingly common in higher education some students might not be familiar with this form of assessment. It is important therefore to provide opportunities to discuss expectations and practice in a safe environment, for example by building short presentation activities with discussion and feedback into class time.

Individual or group

It is not uncommon to assess group presentations. If you are opting for this format:

  • will you assess outcome or process, or both?
  • how will you distribute tasks and allocate marks?
  • will group members contribute to the assessment by reporting group process?

Assessed oral presentations are often performed before a peer audience - either in-person or online. It is important to consider what role the peers will play and to ensure they are fully aware of expectations, ground rules and etiquette whether presentations take place online or on campus:

  • will the presentation be peer assessed? If so how will you ensure everyone has a deep understanding of the criteria?
  • will peers be required to interact during the presentation?
  • will peers be required to ask questions after the presentation?
  • what preparation will peers need to be able to perform their role?
  • how will the presence and behaviour of peers impact on the assessment?
  • how will you ensure equality of opportunities for students who are asked fewer/more/easier/harder questions by peers?

Hounsell and McCune (2001) note the importance of the physical setting and layout as one of the conditions which can impact on students’ performance; it is therefore advisable to offer students the opportunity to familiarise themselves with the space in which the presentations will take place and to agree layout of the space in advance.

Good practice

As a summary to the ideas above, Pickford and Brown (2006, p.65) list good practice, based on a number of case studies integrated in their text, which includes:

  • make explicit the purpose and assessment criteria
  • use the audience to contribute to the assessment process
  • record [audio / video] presentations for self-assessment and reflection (you may have to do this for QA purposes anyway)
  • keep presentations short
  • consider bringing in externals from commerce / industry (to add authenticity)
  • consider banning notes / audio visual aids (this may help if AI-generated/enhanced scripts run counter to intended learning outcomes)
  • encourage students to engage in formative practice with peers (including formative practice of giving feedback)
  • use a single presentation to assess synoptically; linking several parts / modules of the course
  • give immediate oral feedback
  • link back to the learning outcomes that the presentation is assessing; process or product.

Neumann in Havemann and Sherman (eds., 2017) provides a useful case study in chapter 19: Student Presentations at a Distance, and Grange & Enriquez in chapter 22: Moving from an Assessed Presentation during Class Time to a Video-based Assessment in a Spanish Culture Module.

Diversity & inclusion

Some students might feel more comfortable or be better able to express themselves orally than in writing, and vice versa . Others might have particular difficulties expressing themselves verbally, due for example to hearing or speech impediments, anxiety, personality, or language abilities. As with any other form of assessment it is important to be aware of elements that potentially put some students at a disadvantage and consider solutions that benefit all students.

Academic integrity

Oral presentations present relative low risk of academic misconduct if they are presented synchronously and in-class. Avoiding the use of a script can ensure that students are not simply reading out someone else’s text or an AI generated script, whilst the questions posed at the end can allow assessors to gauge the depth of understanding of the topic and structure presented. Recorded presentations (asynchronous) may be produced with help, and additional mechanisms to ensure that the work presented is their own work may be beneficial - such as a reflective account, or a live Q&A session. AI can create scripts, slides and presentations, copy real voices relatively convincingly, and create video avatars, these tools can enable students to create professional video content, and may make this sort of assessment more accessible. The desirability of such tools will depend upon what you are aiming to assess and how you will evaluate student performance.

Student and staff experience

Oral presentations provide a useful opportunity for students to practice skills which are required in the world of work. Through the process of preparing for an oral presentation, students can develop their ability to synthesise information and present to an audience. To improve authenticity the assessment might involve the use of an actual audience, realistic timeframes for preparation, collaboration between students and be situated in realistic contexts, which might include the use of AI tools.

As mentioned above it is important to remember that the stress of presenting information to a public audience might put some students at a disadvantage. Similarly non-native speakers might perceive language as an additional barrier. AI may reduce some of these challenges, but it will be important to ensure equal access to these tools to avoid disadvantaging students. Discussing criteria and expectations with your students, providing a clear structure, ensuring opportunities to practice and receive feedback will benefit all students.

Some disadvantages of oral presentations include:

  • anxiety - students might feel anxious about this type of assessment and this might impact on their performance
  • time - oral assessment can be time consuming both in terms of student preparation and performance
  • time - to develop skill in designing slides if they are required; we cannot assume knowledge of PowerPoint etc.
  • lack of anonymity and potential bias on the part of markers.

From a student perspective preparing for an oral presentation can be time consuming, especially if the presentation is supported by slides or a poster which also require careful design.

From a teacher’s point of view, presentations are generally assessed on the spot and feedback is immediate, which reduces marking time. It is therefore essential to have clearly defined marking criteria which help assessors to focus on the intended learning outcomes rather than simply on presentation style.

3 tips for giving effective feedback.

We’re all learning as we go. 

And that’s perfectly OK — that’s part of being human. On my own personal growth journey, I know I need to get better at public speaking and presenting. It’s one of those things that doesn’t necessarily come naturally to me. 

And I know there are plenty of people in my shoes. So when it comes to presenting in the workplace, it can be intimidating. But there’s one thing that can help people continue to get better at presentations: feedback . 

The following examples not only relate to presentations. They can also be helpful for public speaking and captivating your audience. 

You’re doing great 

  • You really have the natural ability to hand out presentation material in a very organized way! Good job!
  • Your presentations are often compelling and visually stunning. You really know how to effectively captivate the audience. Well done!
  • You often allow your colleagues to make presentations on your behalf. This is a great learning opportunity for them and they often thrive at the challenge.
  • Keeping presentations focused on key agenda items can be tough, but you’re really good at it. You effectively outline exactly what it is that you will be discussing and you make sure you keep to it. Well done!!
  • You created downloadable visual presentations and bound them for the client. Excellent way to portray the company! Well done!
  • Your content was relevant and your format was visually appealing and easy to follow and understand. Great job! You’re a real designer at heart!
  • You always remain consistent with the way you present and often your presentations have the same style and layout. This is great for continuity. Well done!
  • You always remain consistent with every presentation, whether it be one on ones, small group chats, with peers, direct reports, and the company bosses. You have no problem presenting in any one of these situations. Well done!
  • You are an effective presenter both to employees and to potential clients. When controversial topics come up, you deal with them in a timely manner and you make sure these topics are fully dealt with before moving on. Well done!
  • You effectively command attention and you have no problem managing groups during the presentation.

You should think of improving 

  • You’re a great presenter in certain situations, but you struggle to present in others. Try to be more consistent when presenting so that you get one single-minded message across. This will also help you broaden your presentation skills by being able to portray one single idea or message.
  • You tend to be a little shy when making presentations. You have the self-confidence in one-on-one conversations , so you definitely have the ability to make compelling presentations. Come on! You can do it!
  • During presentations, there seems to be quite a lack of focus . I know it can be difficult to stick to the subject matter, however you need to in order for people to understand what the presentation is about and what is trying to be achieved.
  • To engage with your audience and make them attentively listen to what you have to say, you need to be able to use your voice in an effective manner to achieve this. Try to focus on certain words that require extra attention and emphasis these words during your presentation.
  • Knowing your audience is critical to the success of any presentation. Learn to pick up on their body language and social cues to gauge your style and tone. Listen to what your audience has to say and adjust your presentation accordingly.

  • During presentations, it’s expected that there will be tough questions . Try to prepare at least a couple of days before the time so that you can handle these questions in an effective manner.
  • To be an effective presenter you need to be able to adjust to varying audiences and circumstances. Try learning about who will be in the room at the time of the presentation and adjust accordingly.
  • Remember not to take debate as a personal attack. You tend to lose your cool a little too often, which hinders the discussion and people feel alienated. You can disagree without conflict .
  • The only way you are going to get better at public speaking is by practicing, practicing, practicing. Learn your speech by heart, practice in the mirror, practice in front of the mirror. Eventually, you’ll become a natural and you won't be afraid of public speaking any longer.
  • Your presentations are beautiful and I have no doubt you have strong presentation software skills. However, your content tends to be a bit weak and often you lack the substance. Without important content, the presentation is empty.

Tips to improve 

  • Remember it’s always good to present about the things you are passionate about . When you speak to people about your passions they can sense it. The same goes for presentations. Identify what it is that excites you and somehow bring it into every presentation. it’ll make it easier to present and your audience will feel the energy you portray.
  • Sometimes it can be easier to plan with the end result in mind. Try visualizing what it is you are exactly expecting your audience to come away with and develop your presentation around that.
  • Simplicity is a beautiful thing. Try to keep your presentations as simple as possible. Make it visually appealing with the least amount of words possible. Try interactive pictures and videos to fully immerse your audience in the presentation.
  • It’s a fine balance between winging the presentation and memorizing the presentation. If you wing it too much it may come across as if you didn't prepare. If you memorize it, the presentation may come off a bit robotic. Try to find the sweet spot, if you can.
  • When presenting, try to present in a way that is cause for curiosity . Make people interested in what you have to say to really captivate them. Have a look at some TED talks to get some tips on how you can go about doing this.
  • Remember presentations should be about quality, not quantity. Presentations that are text-heavy and go on for longer than they should bore your audience and people are less likely to remember them.
  • Try to arrive at every staff meeting on time and always be well prepared. This will ensure that meetings will go smoothly in the future.
  • Remember to respect other people's time by always arriving on time or five minutes before the presentation.
  • Remember to ask the others in the meeting for their point of view if there are individuals during presentations.
  • If you notice presentations are deviating off-topic, try to steer it back to the important topic being discussed.

Presentation feedback can be intimidating. It’s likely the presenter has spent a good deal of time and energy on creating the presentation.

As an audience member, you can hone in on a few aspects of the presentation to help frame your feedback. If it's an oral presentation, you should consider also audience attention and visual aids.

It’s important to keep in mind three key aspects of the presentation when giving feedback.

Communication

  • Were the key messages clear? 
  • Was the speaker clear and concise in their language?
  • Did the presenter clearly communicate the key objectives? 
  • Did the presenter give the audience clear takeaways? 
  • How well did the presenter’s voice carry in the presentation space? 

Delivery 

  • Was the presentation engaging? 
  • How well did the presenter capture their audience? 
  • Did the presenter engage employees in fun or innovative ways? 
  • How interactive was the presentation? 
  • How approachable did the presenter appear? 
  • Was the presentation accessible to all? 

Body language and presence 

  • How did the presenter carry themselves? 
  • Did the presenter make eye contact with the audience? 
  • How confident did the presenter appear based on nonverbal communication? 
  • Were there any nonverbal distractions to the presentation? (i.e. too many hand gestures, facial expressions, etc.)  

There are plenty of benefits of feedback . But giving effective feedback isn’t an easy task. Here are some tips for giving effective feedback. 

1. Prepare what you’d like to say 

I’m willing to bet we’ve all felt like we’ve put our foot in our mouth at one point or another. Knee-jerk, emotional reactions are rarely helpful. In fact, they can do quite the opposite of help. 

Make sure you prepare thoughtfully. Think through what feedback would be most impactful and helpful for the recipient. How will you word certain phrases? What’s most important to communicate? What feedback isn’t helpful to the recipient? 

You can always do practice runs with your coach. Your coach will serve as a guide and consultant. You can practice how you’ll give feedback and get feedback … on your feedback. Sounds like a big loop, but it can be immensely helpful. 

2. Be direct and clear (but lead with empathy) 

Have you ever received feedback from someone where you’re not quite sure what they’re trying to say? Me, too. 

I’ve been in roundabout conversations where I walk away even more confused than I was before. This is where clear, direct, and concise communication comes into play. 

Be clear and direct in your message. But still, lead with empathy and kindness . Feedback doesn’t need to be harsh or cruel. If it’s coming from a place of care, the recipient should feel that care from you. 

3. Create dialogue (and listen carefully) 

Feedback is never a one-way street. Without the opportunity for dialogue, you’re already shutting down and not listening to the other person. Make sure you’re creating space for dialogue and active listening . Invite questions — or, even better, feedback. You should make the person feel safe, secure, and trusted . You should also make sure the person feels heard and valued. 

Your point of view is just that: it's one perspective. Invite team members to share their perspectives, including positive feedback . 

You might also offer the recipient the opportunity for self-evaluation . By doing a self-evaluation, you can reflect on things like communication skills and confidence. They might come to some of the same important points you did — all on their own.

Now, let’s go practice that feedback 

We're all learners in life.

It's OK to not be perfect . In fact, we shouldn't be. We're perfectly imperfect human beings, constantly learning , evolving, and bettering ourselves. 

The same goes for tough things like presentations. You might be working on perfecting your students' presentation. Or you might want to get better at capturing your audience's attention. No matter what, feedback is critical to that learning journey . 

Even a good presentation has the opportunity for improvement . Don't forget the role a coach can play in your feedback journey.

Your coach will be able to provide a unique point of view to help you better communicate key points. Your coach can also help with things like performance reviews , presentation evaluations, and even how to communicate with others.

Developing Oral Case Presentation Skills: Peer and Self-Evaluations as Instructional Tools

Communication is taking on a heightened emphasis across all industries - and medicine is no different. The ability for a physician (be it a practicing doctor, resident, intern or medical student) to communicate the history, course, and current status of a patient is critical for successful patient care.

While everyone agrees on its importance, there is little alignment on how to best teach such skills. One method is through standardizing evaluations of oral presentations. By identifying the standard and then showing learners the gaps in their skills through evaluations, we can as a medical society improve the approach across all institutions.

The essence of oral case presentation lies in how focused and concise the matter is. The presentation needs to be limited to what the listeners need to comprehend on an immediate basis.

“An oral case presentation is NOT a simple recitation. It is a concise, edited presentation of the most essential information.” [1]

The role of the Faculty

There are certain steps faculty can take to improve the way we are educating students on oral case presentations. In the example demonstrated in this study, students periodically were evaluated on their own presentations while also evaluating the presentations of other students. By shifting the mindset of learners from ‘how much information can I relay’ to ‘how well did this person tell me what I need to know’ - students can learn key about what makes for a good oral case presentation. If we can help shift student mindset to considering the listener (a challenge for students when also synthesizing all the pertinent medical details of a case). 

Showing examples of what a good case presentation is compared to a poor one is also a great way to set standards.  In the same study, students watched two pre-recorded presentations. One of them was excellent while the other was abysmal, both of which were explained by the faculty. 

Students additionally were given the documents below, which help to level set expectations. The first figure explains how scoring works. The second is the actual scorecard that students utilized when evaluating the presentations of their peers.  

The figure below explains the scoring system consisting of various parameters including history of the patient, important information regarding the case, details of physical examination, presentation of the lab outcomes, and the general presentation skills. You can observe here that the range and selection of information is what differentiates a good presentation from a bad one. Excessive information is not the goal, rather focusing on what’s important and giving the precise amount of detail would command a better score in the self-evaluation.

Each element (as seen in the figure above) was aligned to the objectives while developing the criteria. The ultimate goal was to enable peer and self-evaluation without faculty commitment.

“To organize an oral presentation effectively, you must think critically about what is important with your patient, your differential diagnoses, and your plans.” [3]

Benefits of utilizing this approach

Using the tools mentioned above and with the help of technology, we can build on the concept of teaching through evaluation. As a result, the focus can now shift from faculty evaluation to peer evaluation, through a standardized assessment of how students can replicate the faculty evaluation process.

By adopting this method, the time taken by the faculty to impart spoken communication skills is greatly reduced. As the process of self-evaluation involves multiple layers of introspection, it results in intrinsic development of skills within the presenters.

This method focuses on how well a task is performed, as opposed to whether or not it is performed. This provides a scope for a true-to-life evaluation of the skills, instead of the score being simply binary. The points earned by the presenter for a particular task would vary from 0-3, which would highlight the level of their capabilities with regard to that specific task.

Furthermore, this method would help assess whether the traditional experience of presenting on the wards can be augmented merely by reviewing peers, thus significantly reducing the additional time burden for faculties.

Through this study, researchers have shown that by using peer and self-evaluation as instructional tools, oral case presentation skills can be developed efficiently. Based on the feedback received in the entrance and exit forms, efficacy of this method can be identified and fine-tuned. This provides a scope for faculties to reduce the time spent on evaluations, which can be utilized in a better manner to provide support to other care functions within the organization.

In summary, a few key take-aways including the following larger concepts:

Clarify what makes an excellent presentation: Oral presentations need to be focused and concise. The presenter must have an ability to identify and present the immediate information needed by the listener. 

Clarify how this can be achieved by the presenter: Once the presenters are aware of what goes into creating an excellent oral case presentation, they need to know how they are evaluated, and what needs to be done to achieve a higher score. 

Communicate the outcome : This would help the learners adapt to the evaluation system and align with the expectations of the faculty.

Apply the evaluation framework for students to communicate effectively through presentations.

Don’t mind the informal me, I just seem to love that ‘down-to-earthness’ – I personally believe that such disposition is a better facilitator of effective communication.

Without much ado, I am going to share with you some ideas on what I can safely call most people’s nightmare (next to examinations, of course) – An oral presentation.

Organizations and other platforms have also come to discover the essence of an effective oral presentation. How it can move an employee from a zero state of mind to an excited state of mind after a brief but powerful presentation.

Essentially, oral presentations are nothing to be scared of.

They add some kind of depth to the learning experience.

Not having this depth is what we should be scared of. Self-expression is just one of the core pillars of assessing how much and how well a student or presenter has assimilated the content of instructional material.

Overall, some of the most faced challenges associated with oral presentations are content and stage management which shall be discussed broadly here.

1. Know the content

Nothing breeds confidence like competence and nothing breeds competence like preparation . Being vast in and thoroughly familiar with whatever the subject of a presentation will, in no small way, reinforce your sense of having something genuinely interesting to offer.

2. Define the purpose of the presentation

A presentation isn’t just a list of random facts. It makes a specific point, just like laboratory reports or essays.

Without a clear purpose in mind, your presentation will most likely be a jumble of unorganized factual information, putting your audience in the dark about your true intent.

What is the most important message you want to convey to the audience? Consider this to be the idea or theme of your presentation.

Your presentation’s goal(s) could include, but are not restricted to, trying to inform, inspire, or persuade.

Remember that what you say as well as how you say it must be consistent with the presentation’s goal.

3. Be natural

The mistake a lot of presenters make is thinking that great presentations are all about big vocabulary and sophisticated terms.  

May I indulge you in a different perspective – great presentations are all about presentations done in the most natural way. Be calm, relax and flow effortlessly .

Do your presentations like they are your daily routines. Help your audience feel like – “yes, I agree with what he is talking about”.

Rather than trying to charm the audience with a sophisticated style, be more committed to capturing their imagination through simple cues and vivid expressions.

There is a child in everyone, no matter how old. If possible, add a little humour here and there but try not to overdo it. Ensure you stay on track.

4. Invoke curiosity

This aspect is what makes your audience hooked until the end of your presentation. They want to know where you are headed. They can’t risk being distracted until you finish. All you need do is reawaken that curious infant in the brief moment of your presentation.

It is for this reason that presentations adopt visual aids and graphical tools. The world-famous PowerPoint computer application also goes hand in hand with projectors – large screens for a clearer, broader view.

Where else is such pervasive attention given to pictures and descriptive tools apart from a kindergarten? Such applications show that there is a childlike nature in every man. Invoke it!

5. Get your audience involved

Get your audience involved in your presentation. Don’t stand behind a lectern all through, tale a brisk, confident walk and project your words into the minds of your audience. Don’t let the lectern come in between you and the audience.

Try to get your audience out of their seats, laughing, raising hands or even standing by your side to make an analysis. Getting your audience to laugh is not as difficult as you might think. For example, you might try, “Ladies and gentlemen, I was told to announce something very critical to the success of today’s event. Even though I don’t think it’s my place to begin my presentation with an announcement that has nothing to do with my topic.”

“Anyway, I’ve been asked to tell you that in the event that you laugh too hard, don’t cause a stampede or fart too loud.” 😆

6.  Gesticulate

If you can request a cordless lavaliere mic, pls do, so that you can be as flexible with your hands as possible. A handheld mic might become tiring if your presentation takes a while.

Your audience will only remember 30% of what they hear & see but 70% of what they do will stick to them forever.

7. Project your words

Two things that can make your projection so vivid and impactful are a clear voice and clarity of communication. Try to emphasize the last sound of each word which will help you to sound very polished. This may sound odd to you when you start but eventually sound normal as you get used to it.

8. Take a pause

I cannot stress this enough. Take your time to pause! It kinda helps your audience to brainstorm, evaluate and re-evaluate. You shouldn’t say more than six to eight words at a time without a pause. As longer sentences reduce readability, longer spoken words also reduce absorption.

Use a full voice, then pause. Think of great speakers that utilized a full voice and paused. They did efficiently well. Such presentations drop some value within you.

9. Use acronyms

After you have written all the words on index cards, try to think of an acronym or Slang abbreviation that has every point you want to talk about. Use this strategy to keep your presentation in order.

For example, you may have written on a marriage/relationship index card – ask, support, kiss . Think of the first letter in each word and arrange them to ASK or any other word of your choice.

ASK will keep you on track this way:

A – Ask what he thinks

S – Support his opinion first

K – Kiss him when the discussion ends

You must have practised what you will say about each word beforehand. You will only use the acronym to keep track which the audience has no clue about. They will only think you are so perfect! If your oral presentation takes time and involves longer acronyms, you could keep your index card(s) on you just in case you get lost. 

10. Give life to figures

The best way to do this is to put a ‘Point’ of mind-gripping information (pictures, graphs, a phrase or table, flow charts, diagrams or a statistic) on some slides and speaking to them.

While the audience is fixated on that slide, all you need do is try to make them see the aspects of the slides that are hidden. Hence, you help to make their imagination make up for the rest of the story.

Such information is alike in features such as introduction, plot build-up, themes climax/anticlimax, a hero and his trials/triumph and so on.

And like a good storyteller or the mythical Pied Piper, the story or the music as the case is, becomes the object of the audience’s attention. The presenter is merely an intermediary.

11. Face the object

Sure, it is not bad to feel weird for a moment. Gain your confidence back by becoming the audience for a moment.

Face the presentation with your hands towards the slide, board or what have you? Making this brief move takes a whole lot of burden off as you see that you do not have to be the audience’s object of attention for a while.

You can use this moment to stealthily move from your weak points to your strong points as you gain your confidence back .

Not all presentations have to be a serious one looking like a board meeting. It doesn’t have to be a brainstorming session to close a million-dollar deal. Smile if you can.

In fact, you should smile. It will reduce any pressure you might be feeling. You never know how powerful a smile can be until you smile at a confused child who looks at you and then returns the smile.

While you smile, make good eye contact with them and gesticulate as often as possible. This will create a good impression on your audience and make them connect with you easily.

13. Intrigue them with stories

Whether it’s a story your grandfather told you or a story you learnt while growing up, people would love to listen. Stories are interesting ways to give your audience a light mood.

Who doesn’t like the taste of a little icing on the cake or peanuts in the chocolate? Just something a little bit different to ease the whole seriousness of the atmosphere.

Professional speakers are becoming professional storytellers ,  primarily stories about themselves or someone they know so well . If you can tell a story about each word or topic on your cards or slides, your speech will have a better flow.

14. Take corrections politely

One mistake people do is to try to show that they know better than their judges.

Judges, examiners, instructors or even a member of your audience can come into your presentation abruptly. Prepare your mind ahead for this and don’t fidget.

A simple “Noted, sir” “sorry, I skipped that” or “thanks for the feedback” would go a long way in determining your final presentation score.

Be courteous and mindful of harsh emotions as you face arguments or opposition. A wrong approach in dealing with this can ruin everything you have started. So be cool with everyone.

As a matter of fact, who you are and who the audience perceives you to be is a measure of the weight of your words.

Hence, it is safer to use universally acceptable codes of conduct and principles of etiquette that will put you in the good graces of the audience.

15. Define your target audience

The audience’s reaction is the only way to judge a good presentation. What do they currently know about your subject matter?

What are their perceptions about your subject matter: will they accept whatever you say, or will you have to persuade them to change their views? Do they have a good command of the English language?

An effective oral presentation requires much more than simply presenting your ideas or giving a presentation. It is all about clear communication and connecting with the audience.

Preparation is required to create that type of presentation. You must learn about your target audience to tailor your message.

If you’re talking to experts in your field, for example, you don’t have to explain all the terms you’re using but if you expect your audience to disagree with your assertions, it’s a great idea to provide additional illustrations and go into greater detail when presenting the evidence.

You can outline your presentation with your audience in mind to explain your main points and maintain a logical flow. The more you understand your target audience, the better you will be able to communicate with them.

16. P redict your audience’s thoughts and tell them

If you’re lucky enough to predict what is on their minds, you’ll get almost 100% attention from your audience. This lowers the barriers between you and them.

They’ll say “hey, he’s so clever hahaha”. Wow, you’re absolutely right! Tell them you know what they are thinking and answer a question they haven’t yet asked you.

17. Practice your presentation beforehand

You should start with yourself first. Talk to yourself, then move on to talking to a friend or small group of friends. When you build more confidence, start by speaking for free to become more professional.

You could begin by speaking to associations and clubs. Your audience may give you more networking opportunities when they enjoy your free presentations. There are business owners in your audience or people who work for businesses looking for speakers.

In fact, t here is much more to learn while you practise. By the time you become well-known, you can start charging a token or your prices can even become non-negotiable. 😉 

18. Explore every possible detail about your subject matter

To prepare an effective oral presentation, you must thoroughly understand your subject matter, which means knowing far more than you will present.

There is no such thing as too much research. The more familiar you are with your content, the more settled and confident you will feel when presenting it to a group.

Take notes as you read about your topic. Then organize your notes for your presentation. The most straightforward structure is an outline.

In most cases, a concise outline will serve as a good template for presenting your topic. The introduction, body, and summary make up a concise outline.

  • Introduction

In the introductory part, you must provide a concise context for your discussion. This is where you describe the problem or issue that the presentation will solve.

You want to immediately grab people’s attention, stimulate their interest, and get them pondering about your topic. That is what creating engaging content is all about.

The bulk of your presentation. It provides specific examples to back up your main point. This is where you add important facts, statistics, and details to your discourse.

Make certain that your material is presented articulately, with each point connected to another and clear progressions.

To summarize, highlight the previous points briefly. Use keywords from your introduction to restate your argument.

Take note of transitory phrases or words like “in summary.” Appreciate the audience for their time and, if the presentation format allows, gladly accept their questions.

A clear structure helps to support a clear and focused message, and it prevents you from jumping from concept to concept, which can make it difficult for your audience to grasp your presentation.

Having this in place, the presentation is no longer just a discussion. It truly becomes an active participation of the audience on a discovery journey. All you have to do is relate the subject’s antecedents, background, facts, statistics, and features in a way that stimulates their curiosity.

19. Use visual aids to supplement your content

It is easier to deliver an oral presentation when you employ visual aids. Visual aids, such as PowerPoint slides or printed handouts, provide structure to your presentation and assist the audience in comprehending the key points.

Since the majority of information is deemed and grasped visually, you may need to resolve this in your presentation by including a few visuals.

This would help the audience follow your discourse and possibly discuss a few of your points after the presentation is finished.

A good visual aid , as obvious as it may seem, must remain visual. Visuals can be bulleted lists or outlines, diagrams or figures, or pictures that depict crucial points that would be difficult to explain orally. Visual aids should be used to supplement, not compete with, your presentation. Use them only when they are necessary or beneficial.

20. Anticipate questions and prepare thoughtful answers in advance

A key component of preparing for an effective oral presentation is anticipating questions and creating thoughtful responses beforehand.

It demonstrates that you are knowledgeable about the subject and that you gave the subject some research. It also helps establish credibility and demonstrate your knowledge.

Additionally, it might assist you in remaining composed and assured throughout the presentation, especially if you are posed with unexpected questions. A few strategies for getting ready for questions are as follows:

  • Researching your topic thoroughly: This will enable you to answer any questions that may come up about your subject matter.
  • Identifying key points of confusion: Think about what aspects of your presentation may be most difficult for your audience to understand and prepare answers accordingly.
  • Practicing your responses: Rehearse answering potential questions so you are more comfortable and confident when answering them during the presentation.
  • Being open to feedback: Encourage your audience to ask questions and be open to feedback , even if it is critical. Take the opportunity to address any misconceptions or confusion that may have arisen during your presentation.
  • Be prepared for the unexpected: Sometimes, the questions you get may be totally out of the blue, be prepared to answer those as well.

In summary, your oral presentation is highly related to your motion, posture, gesture, gesticulation, eye contact, pausing effect, response to applause and so on.

The evolving nature of education has seen many lecturers and teachers adopt oral examinations as an integral part of grading students’ performance.

That is apart from lines of study such as Medicine (Viva) and Law (mock trials) that already have oral-related content as a part of their continuous assessment.

It also affords the teacher the opportunity to do more than just teach but to also be a kind of ‘coach’ that nurtures not only the content but also the delivery of knowledge . As a teacher myself, I do subscribe to this method of teaching; after all, was it not Einstein that said – If you cannot explain it simply, then you do not understand it all.

In oral presentations, especially ones that adopt projected information, the words you speak are more important than the words you display.

However, the pictures you use are just as important as the words you speak. In no place is the saying truer – a picture is worth more than a thousand words.

Therefore, being in a position where you have to present your own perspective, with your own words and in your own style goes a long way in shaping your intellectual capabilities . It also builds self-confidence in those that eventually master it.

37 Incorporating Effective Visuals into a Presentation

Good communication is a multisensory experience. Children first learning how to read often gravitate toward books with engaging pictures. As adults, we graduate to denser books without pictures, yet we still visualize ideas to help us understand the text. Advertisers favor visual media—television, magazines, and billboards—because they are the best way to hook an audience. Websites rely on colour, graphics, icons, and a clear system of visual organization to engage Internet surfers.

Bringing visuals into a presentation adds colour, literally and figuratively. There is an art to doing it well. This section covers how to use different kinds of visual aids effectively.

Using Visual Aids: The Basics

Good writers make conscious choices. They understand their purpose and audience. Every decision they make on the page, from organizing an essay to choosing a word with just the right connotations, is made with their purpose and audience in mind.

The same principle applies to visual communication. As a presenter, you choose the following:

  • When to show images or video for maximum impact
  • Which images will best produce the effect you want
  • When to present information using a table, chart, or other graphic
  • How much text to include in slides or informational graphics
  • How to organize graphics so they present information clearly

Your goal is to use visual media to support and enhance your presentation. At the same time, you must make sure these media do not distract your audience or interfere with getting your point across. Your ideas, not your visuals, should be the focus.

As you develop the visual side of your presentation, you will follow a process much like the process you follow when you write. You will brainstorm ideas, form an organizational plan, develop drafts, and then refine and edit your work. The following sections provide guidelines to help you make good decisions throughout the process.

What Makes Visual Aids Effective?

To help you get a sense of what makes visual media work, think about what does not work. Try to recall occasions when you have witnessed the following visual media failures:

  • Websites crammed with so many images, flashing phrases, and clashing colours that they are almost unreadable
  • Assembly instructions with illustrations or diagrams that are impossible to follow
  • Photographs that are obviously (and badly) altered with photo-editing software
  • Distracting typos or other errors in signs, advertisements, or headlines
  • Tables, charts, or graphs with tiny, dense text or missing labels

In each case, the problem is that the media creator did not think carefully enough about the purpose and audience. The purpose of images, colour, or flashing text on a website is to attract attention. Overusing these elements defeats the purpose because the viewer may become overwhelmed or distracted. Tables, charts, and graphs are intended to simplify complex information, but without clear labels and legible text, they will confuse the audience.

In contrast, effective visual elements are chosen or created with the purpose and audience in mind. Although a photo shoot for a magazine article might result in dozens of images, editors choose those few that work best with the article. Web designers and video game creators have an audience test their products before they are released, to ensure that people will understand how to use them. Understanding the function of different visual aids will help you use them with purpose.

Types of Visual Aids

Visual aids fall into two main categories—images and informational graphics. Images include photographs, illustrations and clip art, and video footage. Informational graphics include tables, charts, bar graphs, and line graphs.

These visual aids serve two purposes: to add emotional impact to your presentation and to organize information more clearly. With that in mind, read to find out how specific types of visual aids achieve those purposes.

Photographs

A striking photograph can capture your audience’s attention far more successfully than words can. Consider including photographs at the beginning or end of your presentation to emphasize your main ideas or to accompany a particularly important point in the body of your presentation. Remember that, as with other types of graphics, less is often more. Two or three well-chosen photographs are more effective than a dozen mediocre ones.

When you choose photographs, ask yourself these questions:

  • What purpose does this image serve? Will it surprise the audience? Will it provoke a strong emotional response? Does it support an important point?
  • Will this photograph be more effective if shown with only a caption, or does it need additional text?
  • Will the audience understand what is happening in the photograph? Is the meaning immediately evident, or does the photo need some context?
  • Would editing the image make it more effective? Consider using image-editing software to crop the photo, change the brightness, or make other cosmetic changes. (Do not go overboard, though. A slightly imperfect but authentic image is preferable to one that has been obviously altered.)

To illustrate the sense of helplessness people felt in the midst of tragedy, a student could use a photograph that shows fear, weariness, or defeat on the face of the photograph’s subject.

Illustrations

Illustrations, such as editorial or political cartoons, serve much the same purpose as photographs. Because an illustration does not capture a moment in time the way a photo does, it may have less impact. However, depending on your topic and the effect you want to achieve, illustrations can still be very useful. Use the same criteria for choosing photographs to help you choose illustrations.

Video Footage

Even more than photographs, video footage can create a sense of immediacy, especially if your video includes sound. Showing a brief video clip can help your audience feel as if they are present at an important event, connect with a person being interviewed, or better understand a process. Again, ask yourself the following questions to ensure you are using the footage well:

  • What purpose does this video serve? (Never rely on video clips just to fill time.)
  • How much footage should be shown to achieve your purpose?
  • What will need to be explained, before or after showing the video, to ensure that your audience understands its significance?
  • Will it be necessary to edit the video to stay within time requirements or to focus on the most important parts?

Informational graphics, such as tables, charts, and graphs, do not provoke the same response that images do. Nevertheless, these graphics can have a powerful impact. Their primary purpose is to organize and simplify information.

Tables are effective when you must classify information and organize it in categories. Tables are an especially good choice when you are presenting qualitative data that are not strictly numerical. Table 14.1 “Example of Qualitative Data Table” was created for a presentation discussing the subprime mortgage crisis. It presents information about people who have held powerful positions both in the government and at one of the investment banking firms involved in the subprime mortgage market.

TIP: If you are working with numerical information, consider whether a pie chart, bar graph, or line graph might be an effective way to present the content. A table can help you organize numerical information, but it is not the most effective way to emphasize contrasting data or to show changes over time.

Pie charts are useful for showing numerical information in percentages. For example, you can use a pie chart to represent election results. The following pie chart shows the percentage of seats held by each political party in the House of Commons after the 2019 Federal Election out of a total of 338 seats.

Bar graphs work well when you want to show similarities and differences in numerical data. Horizontal or vertical bars help viewers compare data from different groups, different time periods, and so forth. For instance, the bar graph in Figure 40.4 allows the viewer to compare data on the five countries that have won the most Olympic medals since the modern games began in 1924: Norway, the United States, the former Soviet Union, Germany, and Austria. Bar graphs can effectively show trends or patterns in data as well.

Line Graphs

Like bar graphs, line graphs show trends in data. Line graphs are usually used to show trends in data over time. For example, the line graph in Figure 40.5 shows changes in the Dow Jones Industrial Average—an economic index based on trading information about thirty large, US-based public companies. This graph shows where the Dow closed at the end of each business day over a period of five days.

Exercise 40.1

 Complete the following steps on your own sheet of paper.

  • Analyze the two different types of visual aids: images and informational graphics. Identify at least two places in your presentation where you might incorporate visual aids.
  • Evaluate the purpose of the visual aid. Does it create emotional impact, or does it organize information? Is the visual effective?
  • Determine whether you will be able to create the visual aid yourself or will need to find it.

Creating Original Visual Aids

You will include original visual aids in your presentation to add interest, present complex information or data more clearly, or appeal to your audience’s emotions. You may wish to create some visual aids by hand—for instance, by mounting photographs on poster board for display. More likely, however, you will use computer-generated graphics.

Computer-generated visual aids are easy to create once you learn how to use certain office software. They also offer greater versatility. You can print hard copies and display them large or include them in a handout for your audience. Or, if you are working with presentation software, you can simply insert the graphics in your slides.

Regardless of how you proceed, keep the following guidelines in mind:

  • Create visual aids with purpose. Think carefully about how they will enhance your message, and choose a form that is appropriate for your content.
  • Strive for quality. You do not need the skills of a professional photographer or designer, but do take time to make sure your visual aids are neat, attractive, and legible. Proofread for errors, too.

Using Software to Create Visual Aids

You can use standard office software to create simple graphics easily. The following guidelines describe how to work with word-processing software and presentation software.

Working with Photographs

Most personal computers come equipped with some basic image-editing software, and many people choose to purchase more advanced programs as well. You can upload photographs from a digital camera (or in some cases, a cell phone) or scan and upload printed photographs. The images can then be edited and incorporated into your presentation. Be sure to save all of your images in one folder for easy access.

Creating Tables

To create a table within a word-processing document consult your software program’s help feature or an online tutorial. Once you have created the table, you can edit and make any additional changes. Be sure that the table has no more than six to seven rows or columns because you do not want to compromise the size of the text or the readability. Aligning with precision will help your table look less crowded. Also, the row and column titles should spell out their contents.

Creating Graphs

Pie charts and bar and line graphs can also be created using standard office software. Although you can create these graphics within a document, you will need to work with both your word-processing application and your spreadsheet application to do so. The graph should visually explain the data using colours, titles, and labels. The use of colour will help the audience distinguish information; however, avoid colours that are hard on the eyes, such as lime green or hot pink. The title should clearly state what the graph explains. Lastly, avoid using acronyms in the titles and other labels.

Creating Graphics in an Electronic Presentation

If you plan to work only with hard copy graphics during your presentation, you may choose to create them as word-processing documents. However, if you are using presentation software, you will need to choose one of the following options:

  • Create your graphics using the presentation software program.
  • Create your graphics within another program and import them.

Standard office presentation software allows you to create informational graphics in much the same way you would create them within a word-processing application. Keep the formatting palette, a menu option that allows you to customize the graphic, open while you use the software. The formatting menu provides options for inserting other types of graphics, such as pictures and video. You may insert pictures from an image bank available within the program, or insert images or video from your own desktop files. Shape your use of multimedia in accordance with the message your presentation is trying to convey, the purpose, and your audience.

Creating Visual Aids by Hand

Most of the time, using computer-generated graphics is more efficient than creating them by hand. Using office software programs helps give your graphics a polished appearance while also teaching you skills that are useful in a variety of jobs. However, it may make sense to use hand-created visual aids in some cases—for instance, when showing a 3-D model would be effective. If you follow this route, be sure to devote extra time to making sure your visual aids are neat, legible, and professional.

Flip charts are inexpensive and quick visual aids used during face-to-face presentations. The flip chart can be prepared before, as well as during, the presentation. Each sheet of paper should contain one theme, idea, or sketch and must be penned in large letters to be seen by audience members farthest away from the speaker.

Writing Captions

Any media you incorporate should include a caption or other explanatory text. A caption is a brief, one- to two-sentence description or explanation of a visual image. Make sure your captions are clear, accurate, and to the point. Use full sentences when you write them.

Captions should always be used with photographs, and in some cases, they can be useful for clarifying informational graphics, which represent qualitative data visually. However, informational graphics may not require a caption if the title and labels are sufficiently clear. For other visual media, such as video footage, providing explanatory text before or after the footage will suffice. The important thing is to make sure you always include some explanation of the media.

Exercise 40.2

In this exercise, you will begin to develop visual aids for your presentation. Complete the steps in this exercise—and enjoy the chance to be creative. Working with visuals can be a pleasant way to take a break from the demands of writing.

  • Revisit the ideas you developed in Exercise 40.1. Choose at least two ideas that you can create. ( Note: If you are using software to develop a slideshow presentation, count this as one of your self-created visual aids. Include at least one other self-created visual aid, such as an original photograph, within your slideshow.)
  • Get creative! Take your photographs, construct a 3-D model, create informational graphics, or work on your presentation slides. Develop good working drafts.
  • After you have completed drafts of your visual aids, set them aside for a while. Then revisit them with a critical eye. First, check any text included with the graphic. Make sure your facts are correct, your words are clear and concise, and your language is free of errors.
  • Next, evaluate how well your aids work visually. Are they large enough to be seen and read from a distance? Are captions and labels easy to find? Are photographs of reasonably high quality? Ask someone else for feedback, too.
  • Begin making any needed changes. As you proceed through the rest of this section, continue to revisit your work to improve it as needed.

Collaboration

Please share the first version of your visual aids with a classmate. Examine what they have produced. On a separate piece of paper, note both the elements that catch your attention and those that would benefit from clarification. Return and compare notes.

Testing and Evaluating Visual Aids

Regardless of how you create your visual aids, be sure to test-drive them before you deliver your presentation. Edit and proofread them, and if possible, show them to someone who can give you objective feedback. Use the following checklist.

Checklist 40.1 Visual Aid Evaluation Checklist

  • Visual aids are clearly integrated with the content of the presentation
  • Photographs and illustrations suit the overall tone of the presentation
  • Images and text are large and clear enough for the viewer to see or read
  • Images are shown with explanatory text or a caption
  • Informational graphics include clear, easy-to-read labels and headings
  • Text within informational graphics is easy to read (Watch out for wordiness and crowded text or a font that is too small and hard to read.)
  • Formatting choices (colour, different fonts, etc.) organize information effectively
  • Any text within graphics is free of errors
  • Hyperlinks within slides function properly
  • Display text for hyperlinks is concise and informative (Never paste a link into a slide without modifying the display text.)

Using Existing Visual Media

Depending on your topic, you may be able to find images and other graphics you can use instead of creating your own. For instance, you might use photographs from a reputable news source or informational graphics created by a government agency. If you plan to use visual aids created by others, keep the following guidelines in mind:

  • Set a purpose before you begin your search. You will search more efficiently if you start with a general idea of what you are looking for—a line graph of unemployment rates for the past twelve months, for example, or a video clip of the most recent State of the Union address.
  • Filter out visual aids that are not relevant. You may come across eye-catching graphics and be tempted to use them even if they are only loosely related to your topic, simply because they are attention getting. Resist the temptation. If the graphic is not clearly connected to your point, it does not belong in your presentation.
  • Read carefully. In addition to reading labels, headings, and captions, read any text that accompanies the visual. Make sure you understand the visual in its original context. For informational graphics, make sure you understand exactly what information is being represented. (This may seem obvious, but it is easy to misread graphic information. Take the time to examine it carefully.)
  • Evaluate sources carefully and record source information. When you look for visual media to complement your presentation, you are conducting research. Apply the same standards you used for your research paper. Choose reliable sources, such as reputable news organizations, government and nonprofit organizations, and educational institutions. Verify data in additional sources. Finally, be sure to document all source information as you proceed.

Searching Efficiently for Visual Media

You will probably find it most efficient to use the Internet to search for visual aids. Many students begin by typing keywords into a search engine to locate related images. However, this search technique is not necessarily efficient, for several reasons:

  • It often pulls up hundreds or even thousands of images, which may be only loosely related to your search terms.
  • It can sometimes be difficult to understand the image in its original context.
  • It can be hard to find copyright information about how you may use the image.

A more efficient strategy is to identify a few sources that are likely to have what you are looking for, and then search within those sites. For instance, if you need a table showing average life expectancy in different countries, you might begin with the website of the World Health Organization. If you hope to find images related to current events, news publications are an obvious choice. The Library of Congress website includes many media related to American history, culture, and politics.

Searching this way has the following advantages:

  • You will often find what you are looking for faster because you are not wasting time scrolling through many irrelevant results.
  • If you have chosen your sources well, you can be reasonably certain that you are getting accurate, up-to-date information.
  • Images and informational graphics produced by reputable sources are likely to be high quality—easy to read and well designed.

If you do choose to use a search engine to help you locate visual media, make sure you use it wisely. Begin with a clear idea of what you are looking for. Use the advanced search settings to narrow your search. When you locate a relevant image, do not download it immediately. Read the page or site to make sure you understand the image in context. Finally, read the site’s copyright or terms of use policy—usually found at the bottom of the home page—to make sure you may use the material.

If you are unable to find what you are looking for on the Internet consider using print sources of visual media. You may choose to mount these for display or scan them and incorporate the files into an electronic presentation. (Scanning printed pages may lower the quality of the image. However, if you are skilled at using photo-editing software, you may be able to improve the quality of the scanned image.)

Inserting Hyperlinks in an Electronic Presentation

If you are working with images, audio, or video footage available online, you may wish to insert a link within your presentation. Then, during your presentation, you can simply click the link to open the website in a separate window and toggle between windows to return to your presentation slides.

To insert a hyperlink within your presentation, click on insert in the toolbar and then select hyperlink from the menu. Doing so will open a dialogue box where you can paste your link and modify the accompanying display text shown on your slide.

Copyright and Fair Use

Before you download (or scan) any visual media, make sure you have the right to use it. Most websites state their copyright and terms of use policy on their home page. In general, you may not use other people’s visual media for any commercial purpose without contacting the copyright holder to obtain permission and pay any specified fees.

Copyright restrictions are somewhat more ambiguous when you wish to download visual media for educational uses. Some educational uses of copyrighted materials are generally considered fair use—meaning that it is legally and ethically acceptable to use the material in your work. However, do not assume that because you are using the media for an educational purpose, you are automatically in the clear. Make sure your work meets the guidelines in the following checklist. If it does, you can be reasonably confident that it would be considered fair use in a court of law and always give credit to the source.

Checklist 40.2 Media Fair Use Checklist

  • You are using the media for educational purposes only.
  • You will make the work available only for a short period and to a limited audience. For instance, showing a copyrighted image in a classroom presentation is acceptable. Posting a presentation with copyrighted images online is problematic. In addition, avoid any uses that would allow other people to easily access and reproduce the work.
  • You have used only as much of the work as needed for your purposes. For video and audio footage, limit your use to no more than 10 percent of the media—five minutes of an hour-long television show, for example. Image use is harder to quantify, but you should avoid using many images from the same source.
  • You are using the media to support your own ideas, not replace them. Your use should include some commentary or place the media in context. It should be a supporting player in your presentation—not the star of the show.
  • You have obtained the material legally. Purchase the media if necessary rather than using illegally pirated material.
  • Your use of the media will not affect the copyright holder or benefit you financially.

By following these guidelines, you are respecting the copyright holder’s right to control the distribution of the work and to profit from it.

Crediting Sources

As you conduct your research, make sure you document sources as you proceed. Follow the guidelines when you download images, video, or other media from the Internet or capture media from other sources. Keep track of where you accessed the media and where you can find additional information about it. You may also provide a references page at the end of the presentation to cite not only media and images but also the information in the text of your presentation.

Write captions or other explanatory text for visual media created by others, just as you would for media you created. Doing so helps keep your audience informed. It also helps ensure that you are following fair use guidelines by presenting the media with your commentary, interpretation, or analysis. In your caption or elsewhere in your presentation, note the source of any media you did not create yourself. You do not need to provide a full bibliographical citation, but do give credit where it is due.

Exercise 40.3

In this exercise, you will locate visual aids created by others and continue developing the work you began earlier. Complete these steps.

  • Revisit the ideas you developed in Exercise 1. Choose at least two ideas for which it would make more sense to find the visual aid than to create it yourself.
  • Use the search tips provided in this section to locate at least two visual aids from reputable sources that you can use. Prepare them for your presentation by adding clarifying text as needed. Be sure to credit your source.
  • Incorporate the visual aids you created in Exercise 2 and Exercise 3 into your presentation. This may involve preparing physical copies for display or inserting graphic files into an electronic presentation.
  • If you are working with presentation software, refine your slides. Make sure the visual approach is consistent and suits your topic. Give your text a final proofread.
  • If you are not using presentation software, review the annotated outline you created in Exercise 1. Update it as needed to reflect your current plan. Also, determine how you will physically set up your visual aids.

Peer Assessment: Oral presentations

A number of instructors at McGill have been implementing peer assessment (PA) in their courses and have generously shared some of their reflections on the experience.

Professor Grant Clark is one of the coordinators of the Bioresource Engineering graduate seminar in the Faculty of Agricultural and Environmental Sciences. In a recent conversation, he shared how he implemented PA in this course of 135 students (approx. 90 graduate students and 45 undergraduate students), reflected on trying new software, and offered advice to other instructors considering implementing PA in their courses.

For what assignment did you implement PA?

Each week of the semester, eight or nine graduate students do individual five-minute oral presentations with PowerPoint or the equivalent. Students have to choose an academic topic to present that is of potential interest to somebody at a university. Since that’s pretty broad, sometimes the topic or the format is more specific, such as saying the presentation cannot be about the student’s thesis topic, or that students should present in a sales pitch format, for example.

At the start of term, I share with students some ideas about how to give a good presentation. In the syllabus or on myCourses, I include links to what I consider to be excellent presentations, as well as links to a document or two about how to give a good scientific presentation.

PA of students’ presentations happens in three stages over the course of the semester:

Stage 1: Outside class time, each graduate student pre-sets the rehearsal timings so the slides advance at a certain pace, practices their presentation in front of a panel of three or four other graduate students, and then the panelists fill out a PA form using Office Forms . The form itself gives suggestions in point form of what to look for when providing feedback. The students video record the presentations and then submit a link to the recordings using this form so that I can look at the presentations and give feedback, too. This way, if one of the panelists isn’t able to be present, they can look at the video and send their feedback, as well. As it is a private link, only the review panelists, the instructor and the presenter can see the practice video. Each student gets feedback from about five people at this stage. The presenting student then has at least a week to make adjustments further to the feedback they’ve received, before presenting to the entire class during Stage 2.

Stage 2: Each graduate student presents in front of the whole class. The undergraduate students are divided into moderating committees of three or four students. Each week, a different moderating committee chairs the presentations during class. Each graduate student presents, and then has three to five minutes to respond to questions. The undergraduate students on that day’s moderating committee evaluate the presentation using a PA form . As well, the same panelists as in Stage 1 fill out a second PA form and describe how well the student presenter improved (or not). Each student gets feedback from nearly 10 people at this stage. The in-class presentations are recorded and links to the recordings are posted on the myCourses website.

Stage 3: The student presenters fill out a PA form after they receive the feedback from their panelists and moderators. On this form, the presenter provides feedback on how useful they found the feedback from their peers. Providing feedback on the feedback that they received (editor’s note: also known as “back-evaluation”) is motivation for peers to provide constructive feedback because there are a few points of their grade attached to that assessment.

Why did you start using Office Forms? What do students think about this software?

Our decision to use Office Forms was in response to past student feedback. Before, we had students in the audience fill out and submit a paper form with their name on it. For the students, it was a bother filling out the paper forms. As an instructor, the paper forms approach was time-consuming as it required collation, scanning and anonymizing.

Students are happy with the switch from paper forms to Office Forms, and creating and using Office Forms is really easy for me! Students access the form via a link I post on myCourses. They sign in with their McGill email and password. Students can fill out the form on their phone or their computer. The nifty thing is that all of that data is then available to download in Excel format. It’s just a matter of copying a column of feedback from Excel – but not copying the column with the submitting students’ names – and pasting it into an email and sending it to the student presenter. So while I know which students submitted which feedback, the student receiving the feedback does not know. The form is also time-stamped so we can make sure that the feedback is submitted on time.

Providing and sharing feedback is so painless and easy now, for the students and for me. In fact, I’ve seen that students tend to write more thorough comments on the electronic forms than they did on the paper forms in previous semesters. The online form works well and saves us loads of time compared to the hard-copy alternative.

To what extent does the students’ assessment of one another impact their grade?

That has changed over the years. The students are asked to give a numerical score and then justify it with text. I used to have a really complicated formula which included the average score assigned by the audience, and then it was weighted by my score, and so forth. Recently, it’s become simpler: now approximately 15% of their final assignment grade is based on the score assigned by the panelists and the audience. So it has a small impact on their grade.

What has a larger impact on their grade is whether they submit the forms on time. To motivate students to submit on time, a grade is attached to each form submission. So if it’s 5% for every form, and the student fills out all four forms, that adds up quickly.

What advice do you have for an instructor interested in trying PA for the first time?

Overall, be very organized. For instance:

  • Think the PA assignment through carefully and figure out how you’re going to manage the administrative overhead.
  • Make the instructions clear from the outset so you don’t have to change things mid-semester.
  • Get feedback from the class when you’re done to see what they liked and didn’t like about the assignment.

Most rating scales for performance assessment distinguish between different levels by systematically replacing abstract qualifiers such as some , many , or most at each band (the systematic approach ). Less frequently, distinctions are based on concrete aspects of performance characteristic of the band concerned (the salient-feature approach ). This chapter presents a study which compares and contrasts the two approaches. The main aim was to evaluate whether rating scales featuring salient aspects of performance are more reliable for the purpose of assessing academic presentation and interaction skills in the context of an undergraduate speaking course than rating scales which distinguish between the levels systematically. Both qualitative and quantitative methods were employed to evaluate the effectiveness of the scales. In phase one, the scores of 60 live-exam performances rated on the basis of systematic scales were compared to the scores of 84 mock-exam performances based on salient-feature scales. The latter had two formats, first as six-point scales with every band (except for the lowest) being defined by descriptors and then as ten-point scales with unworded bands in between. Many-facet Rasch analysis showed that the salient-feature scales are generally superior in terms of rater reliability and criteria separation. However, raters were unable to distinguish as many as ten bands reliably, although, according to interview data, raters find undefined intermediate levels very useful. The results have implications for scale revision, rater training, and future scale development.
