Contact information

Repeat your contact information (name, phone number, and email) at the end of the letter, just in case the employer needs it for quick reference.

Proofread your letter carefully to ensure it is free from spelling and grammatical errors. Tailor each cover letter to the specific job application to make it as relevant and impactful as possible.

How to write a good cover letter (with examples)

The best letters are unique, tailored to the job description, and written in your voice — but that doesn’t mean you can’t use a job cover letter template.

Great cover letters contain the same basic elements and flow a certain way. Take a look at this cover letter structure for ref erence while you construct your own.

1. Add a header and contact information

While reading your cover letter, the recruiter shouldn’t have to look far to find who wrote it. Your document should include a basic heading with the following information:

  • Pronouns (optional)
  • Location (optional)
  • Email address
  • Phone number (optional)
  • Relevant links, such as your LinkedIn profile , portfolio, or personal website (optional)

You can pull this information directly from your CV. Put it together, and it will look something like this:

2. Include a personal greeting

Always begin your cover letter by addressing the hiring manager — preferably by name. You can use the person’s first and last name. Make sure to include a relevant title, like Dr., Mr., or Ms. For example, “Dear Mr. John Doe.”

Avoid generic openings like “To whom it may concern,” “Dear sir or madam,” or “Dear hiring manager.” These introductions sound impersonal — like you’re copy-pasting cover letters — and can work against you in the hiring process.

3. Draw them in with an opening story

The opening paragraph of your cover letter should hook the reader. You want it to be memorable, conversational, and extremely relevant to the job you’re pursuing. 

There’s no need for a personal introduction — you’ve already included your name in the heading. But you should make reference to the job you’re applying for. A simple “Thank you for considering my application for the role of [job title] at [company],” will suffice.

Then you can get into the “Why” of your job application. Drive home what makes this specific job and this company so appealing to you. Perhaps you’re a fan of their products, you’re passionate about their mission, or you love their brand voice. Whatever the case, this section is where you share your enthusiasm for the role.

Here’s an example opening paragraph. In this scenario, you’re applying for a digital marketing role at a bicycle company:

“Dear Mr. John Doe,

Thank you for considering my application for the role of Marketing Coordinator at Bits n’ Bikes.

My parents bought my first bike at one of your stores. I’ll never forget the freedom I felt when I learned to ride it. My father removed my training wheels, and my mom sent me barrelling down the street. You provide joy to families across the country — and I want to be part of that.”

4. Emphasize why you’re best for the job

Your next paragraphs should be focused on the role you’re applying to. Highlight your skill set and why you’re a good fit for the needs and expectations associated with the position. Hiring managers want to know what you’ll bring to the job, not just any role.

Start by studying the job description for hints. What problem are they trying to solve with this hire? What skills and qualifications do they mention first or more than once? These are indicators of what’s important to the hiring manager.

Search for details that match your experience and interests. For example, if you’re excited about a fast-paced job in public relations, you might look for these elements in a posting:

  • They want someone who can write social media posts and blog content on tight deadlines
  • They value collaboration and input from every team member
  • They need a planner who can come up with strong PR strategies

Highlight how you fulfill these requirements:

“I’ve always been a strong writer. From blog posts to social media, my content pulls in readers and drives traffic to product pages. 5. End with a strong closing paragraph and sign off gracefully

  • Show, don’t tell . Anyone can say they’re a problem solver. Why should a recruiter take their word for it if they don’t back it up with examples? Instead of naming your skills, show them in action. Describe situations where you rose to the task, and quantify your success when you can.
  • Be honest . Avoid highlighting skills you don’t have. This will backfire if they ask you about them in an interview. Instead, shift focus to the ways in which you stand out.

A cover letter is a short and sweet way to give hiring managers a glimpse into who you are as an employee and what you can bring to their company. It’s your chance to make a lasting and positive impression.

It’s probably also worth detailing what a cover letter is not .

A cover letter is not your life story, not pages of work history, and not a place to vent about coworkers or managers. For sure, some job seekers make the mistake of including these things in their cover letters, but we can assure you their applications won’t make it far.

The best cover letter is one that gives a genuine snapshot of the how and why behind your top work accomplishments (and how those accomplishments are relevant to the place you’re applying) and will leave hiring managers feeling confident in contacting you for a chance to connect.

Start by checking out cover letter samples that aren’t just generic fluff. Look for a cover letter example that does the following:

• addresses a specific company and its needs • shares the candidate’s work achievements and how they were accomplished, and • expresses genuine excitement for the role and a chance for an interview or future conversation.

A sample cover letter like that will be a guiding light for you to imitate.

Because you’ll be leaving an overly generalized and boring letter behind that no one wants to read. Instead, you’ll have a professional cover letter that excites recruiters and hiring managers because they’ll be able to see how your skills and past success on the job have impacted other companies; they’ll want to talk more about how you can do the same for them.

Before you figure out how to start a cover letter, format your cover letter properly and include the correct contact information for yourself and the recipient.

Moving on from there, you’ll need three to five short paragraphs:

• Paragraph 1: Make a connection with the company and demonstrate your qualifications for the job. • Paragraphs 2-4: Highlight specific work accomplishments in the past, explaining the how and why, that are relevant to the needs and requirements of the company where you’re applying • Paragraph 5: Sum up with a qualifying thought, demonstrate a confident interest in further conversation, and express gratitude for the hiring manager’s time.

Finally, sign off with a professional and kind close, such as “Sincerely,” “Kind regards,” “Thank you,” etc., and your name.

FOMO (fear of missing out for those of you still catching up to today’s lingo) is a real thing, and while we’re not advocating that you let fear be your backseat driver, do you want to potentially miss out on your dream job just because you didn’t take the time to write a cover letter?

The thing is, most job seekers are blindly throwing their resumes out into the world with the hopes they’ll get a bite. It’s honestly a lot like that magnetic fishing game you always see kids doing at carnivals. There’s a whole bunch of ‘em overcrowded around a kiddie pool. Only one lucky kid’s going home with the rinky-dink prize; all the rest leave with shoulders slumped and feet shuffling to the next game.

But instead of sending your resume off to the masses and just hearing crickets, what if you added a cover letter and sent your matching duo off to, say, 5 companies a day? And what if you adjusted each cover letter to specifically address the needs of the company where you’re applying?

A good cover letter will take you places that your resume, on its own, just can’t. And a cover letter tailored to the company where you want to work is going to be hard for a hiring manager to pass up. All of a sudden, you’re the kid who wised up about the magnetic fishing game and went straight for the dunking booth—because you know you’ve got good aim.

Gone are the days of two to three-page cover letters—or at least those days should be gone!

Great cover letters will never be longer than a page. If it takes someone three pages to explain how fantastic they are at what they do, doesn’t that make you a little wary? This is the time to be confident in your skills and abilities, and it should only take a short cover letter to do it.

What to Include in Your Cover Letter?

Every good cover letter has the following sections:

Header - On top of the cover letter, you write down your own contact information, as well as the recruiter’s (recruiter name, company name, company address, etc…).

Greeting - A formal greeting for the recruiter. E.g. “Dear Sir or Madam,” To learn how to address your cover letter better, check out our article.

Opening paragraph - The introduction of your resume. Here, you summarize your background info (“financial analyst with X+ years of experience”), state your intent (“looking for X position at Company Y”), and summarize your 1-2 achievements to get the recruiter hooked.

Second paragraph - In the second paragraph, you explain how you’re qualified for the position and why the recruiter should pick YOU.

Third paragraph - You talk about why you’re a good match for the company. Do you share common values? Is the company working on projects you’re interested in? Etc…

Formal closing - Finally, you end the cover letter with a quick summary and a call to action (“I’m super excited to work with Company X. Looking forward to hearing from you!”).

How to Write a Great Cover Letter?

Here are, however, some of the key takeaways:

Avoid Fluff - You want to be as specific as possible with your cover letter. Avoid vague statements like “I’m a good fit for the company because I’m a good critical thinker!”

Do Your Research - Most companies don’t like people who “spray and pray” - applying for dozens of jobs without giving any much thought. What they ARE looking for is someone that’s passionate about their company, and wants to contribute. So, do your research about the companies you apply for, and show off your knowledge and passion in your cover letter.

Back Up Your Achievements with Data - When possible, back up your experience with data. Instead of saying, “I improved company revenue”, say “I managed to hit and exceed sales KPIs for 5+ months in a row.”

How Long Should a Cover Letter Be?

Most recruiters agree that a cover letter should be brief and concise. It should be around 1-page max, within a 250 to 400 word range.

It’s almost summer, which means it’s the dreaded internship application time! I've had my fair share of rejected applications, cover letter re-writes, and complete lack of response from companies. It’s not been all lows, though, and I've had some great support from CED, or the Career Exploration and Development office. I’m also participating in the Internship+ program, a new program providing funding for juniors with unpaid or low-paying internships, which has been a nice life raft for the choppy waters. 

I have to admit that the Internship+ program was my main motivation to work hard on my applications. Otherwise, I might have put off the apps to the last minute or not done the proper research and preparation. Instead, right at the beginning of the year, I was attending information sessions and workshops that helped me better understand what to expect. I also gained some useful practices for career planning and drafting my resume. Moreover, a lot of the initial internship browsing was done for me through Handshake. This is the CED’s main mode of communication for appointments, events, and of course, job openings. What makes it so great for finding internships is, one, it is connected to CED, and two, it uses your information to filter what internships would be best for you. Since it knows my major and class year, it provides suggestions for job posts that are asking for my specific profile. It’s nice to have a common site for internship searching so the CED advisors know what specific postings you might be looking at. It made starting the search a whole lot easier.

When I first started applying for internships, I focused on paid ones, because of course I want to have a paying job! I was also hoping to do an internship in Los Angeles, which I wouldn’t be able to afford without a full-time paycheck. Since paid internships are much more competitive, and this is my first internship, I wasn’t having much luck. Even though it would be ideal to have a paying internship, I realized I don't have to worry if I do get an unpaid one because I can get funding through the Internship+ program. I would at least get some support with my living expenses so I could take the fantastic opportunity to go to the film mecca itself regardless of the type of internship. While we can talk all about the ethics of companies not paying for interns' labor, it was nice to know that if I did have to take an unpaid internship in another city, I would have financial support for it.

The heart of CED is its many advisors. They have lots of hours for meetings and support. The advisor for Cinema Studies gave me an initial review of my resume that was super helpful for making sure I had the right language and the most relevant information. When I returned to his office anxious from the lack of responses to my applications, he offered to read any of my many cover letters and assured he was available for support through a simple email. This assuaged a lot of my worries as I faced rejection after rejection. If the resume review was not a requirement for Internship+, I might not have ever gone to his office, but I’m super glad I did and found out how helpful CED can be.

Another great aspect of CED is the peer advising hours. I originally went to these when I was planning my winter term project in Vietnam. It can be a lot less intimidating to talk to a fellow student who understands the process just like you, but also has a lot of great advice on how to move forward. They have a good amount of open hours, and the plus side is that you don’t have to make an appointment, you can just drop in. It’s a really nice thing to take advantage of, and maybe you’d even want to be a peer advisor yourself!

The internship process isn’t all blind hope, though it does take a lot of persistence. You may have to apply to upwards of 20 internships. You’ll hear back a lot of nothing. But if you fall, CED will be there to help pick you back up. They provide a lot of job support through many different resources. One of these resources is actually professional headshots, which is how I got my new profile picture! Snazzy, isn’t it? When you have resources to make yourself stand out as best as possible, you can feel a lot more confident about the already rocky application process. There’s a lot of unknowns as you work towards your future, but it’s always nice to know you have a helping hand.
