A cover letter for grad school may not be identical to one for job applications. 

However— 

They still follow a similar format, which means you begin at the top with a formal header and address.

Simple, right?

You list your name and address first, leave a space, then follow it by the date you’re writing or submitting this grad school cover letter.

Then, leave a space again before addressing the graduate program director or other person who will decide on your admittance. 

Use their name and title, then the academic department they’re in, and finally the university name and address.

The address on a graduate school program cover letter is probably the easiest portion of the whole writing process. 

But— 

If you don’t add it correctly, you might turn the admissions committee member off before they even start reading!

Pro Tip : We told you to check your school’s specific requirements to see if you need a cover letter at all. However, if you do need one, they could have a particular way to format it or ask you to include a special statement ( here’s an example from Drexel ). Always read carefully!

2. Introduce Yourself First on a Graduate School Cover Letter

Before we get to the good stuff, segue into the cover letter intro with a simple cover letter salutation.

Here are two grad school cover letter greeting examples:

As you can guess, the wrong one is because it doesn’t address someone specifically.

One look at it, and they’ll toss your graduate school application out with window.

Always address the person directly!

Pro Tip : Scour the university’s website to find the graduate program administrator. Another option is to use LinkedIn—it doesn’t have to be only for job seekers. 

We continue with your introduction paragraph.

On a cover letter for graduate school admission, the first paragraph should:

  • briefly introduce you and state your interest in applying, 
  • list the graduate program you’re aiming to take part in, and 
  • give a few basic details about your academic background thus far.

Here are two cover letter examples for graduate school opening statements:

The first example does seem captivating, at first, but a graduate school application is not a place to be informal. On top of that, it doesn’t specify the program you’re applying to.

In the second example, all that changes.

It’s short, tailored, direct, and it is academically professional— 

Just the kind of intro they want.

Pro Tip : Another option, if you’re stuck on content for your intro, is to explain how you found out about this graduate certificate or master’s program. Did a professor recommend you? Perhaps it was promoted at a conference? They’d be interested to find out!

3. Explain Your Purpose for Applying to This Particular Graduate Program

You’ve explained your interest in a particular program, and they see that you can see yourself there.

Now— 

Make it clear to the supervisor or admissions board member that you belong there.

The body of a cover letter for graduate program applications should include:

  • More information on your undergraduate academic studies.
  • A few examples of skills you’ve acquired relevant to this grad program.
  • Any experience gained which is applicable to your graduate program.

How about that?

The first one: 

  • is way too short 
  • lists irrelevant skills (we’re applying for a geography program here), and 
  • doesn’t give appropriate experience.

The second example is a winner, and it shows you are, as well.

Pro Tip : Name-dropping on a grad school cover letter can be risky business. While it’s more than appropriate to name one or two professors or other academics, don’t exceed that. Too many names dropped drops your chances. Also, only mention people relevant to your program.

4. Close the Cover Letter for Graduate School Succinctly

You’re just about there.

You’ve explained to them what makes you a great candidate for this particular grad program, and you’ve given skills and experience to support it.

Now, let’s wrap it up.

Here, though you’re excited for the opportunity, remain professional. It’s a graduate school, so lose the exclamation marks and ditch the informalty.

Pro Tip : Don’t use the last paragraph to include any more points which support your application. If they’re crucial, add them in the previous paragraph. Save this one for a simple thank you and conclusion.

5. Sign Off With a List of Enclosed Grad Program Application Documents

To close it off, simply add a valediction (or complimentary close) and your name:

As an Adjunct Mathematics Lecturer and Doctorate in Mathematics graduate, I apply with enthusiasm for this opportunity.

I am currently a part-time Adjunct Lecturer at the University of Sunnybank, where I teach undergraduate Introduction to Linear Algebra and Introduction to Statistics. I employ a range of traditional and progressive methodology in the planning and delivery of instruction in physical and virtual settings, with an emphasis on incorporating opportunities for experiential learning whenever possible. While I often use textbooks, I enjoy creating material to address specific learning needs.

Five Tips for Your Graduate School Application

Education is for life! After their undergraduate years, many college students want to earn a master or doctorate degree and graduate school applications can be extremely competitive, stressful, and overwhelming! Here are 5 tips from my experience applying to graduate school to help support you during your application!

1) Identify someone for a letter of recommendation EARLY!

Letters of recommendation are crucial for your application! Most programs will suggest you ask a professor, faculty member at your school, or supervisor who can speak to your academic, professional, and personal qualities (while family members may have many wonderful things to say about you, I recommend asking someone who is more impartial and can speak to your abilities). It is important to identify your recommender as early as possible so that you can thoroughly discuss a timeline with that person and get your application submitted on time!

2) Update your resume.

Some applications will require a resume (it can also be optional), but you should make sure your resume is up-to-date and relevant to your career goals! Remember that a professional resume is typically one page written in reverse chronological order. I often like to attach a cover page as well to provide more insight about my qualifications. Be sure to include employment positions, awards, or special projects you’ve completed during your undergraduate years... but your time babysitting in high school may not be as relevant anymore!

3) Tackling the Personal Statement.

Almost all applications will ask for a personal statement or a response to a few essay questions. Write what you want to say, not what you think your graduate program wants to hear. Authenticity is key! Tell your personal story and how that led you to choose your specific graduate program. Be creative, avoid cliches, and as I always like to remind myself, there is only one of me and I have a unique story to tell... and so do you!

4) Oh no, there’s an interview!

Don’t panic! While interviews can be nerve-wracking, this is an opportunity for a graduate program to learn more about who you are as a real person rather than just what they can see on paper. Prepare some responses to general interview questions, have that “tell me about yourself” response ready, and most importantly, take a deep breathe! Many graduate schools will want to know how you plan to contribute to their program, what your future ambitions are, if you have any research interests, etc. so don’t be afraid to brag about yourself!

5) Proof, proof, proof.

You’ve finished your application having spent hours filling out your personal information and responding to essay questions... don’t forget to proofread! After all that time and energy, be sure to double-check that the information you provided is correct, there are no typos, and you have completed each section in its entirety. I recommend reviewing your application after a good night's sleep with fresh eyes to ensure you catch any mistakes!

While graduate applications can be stressful, any anxieties are completely normal, and I hope these tips help to relieve some of those nerves! Good luck with your application!

Complete New Student Onboarding 

You've accepted our offer; now help the Office of the Registrar prepare your student record by completing the "Scheduled Tasks" found on the "My Dashboard" tab of your  CalCentral  account. Scheduled tasks typically include completing the Statement of Legal Residence (SLR), immunizations form, and for international students, the Non-immigrant Information Form (NIF). In addition, you will be required to complete  two mandatory Sexual Violence/Sexual Harassment Prevention trainings (online and in-person) . You will receive more information on these requirements via CalCentral and from the department. Thus, it's important that you regularly check your CalCentral account for important campus notifications and tasks. 

For International Students - Obtaining Documents for your Visa Application via the NIF 

The Berkeley International Office (BIO) provides student advising to international students across campus and is responsible for issuing visa documents to all incoming international students. We highly encourage all international students to complete the NIF (Non-immigrant Information Form) as soon as possible in order to have plenty of time to gather the documents required to apply for a student visa. Your departmental offer letter (w/ signature) can serve as proof of financial support. Planning your Arrival 

This summer, we recommend that you arrive in the Bay Area as early as possible in order to get settled for your first year of graduate study. An arrival in early August would be ideal so that you can participate in the prelim prep workshop and complete HR onboarding for new GSIs in advance of your appointment start date (8/1/24). We understand that international students may only enter the country within 30 days of their I-20 or DS-2019 start date - again we recommend arriving as early as your schedule allows. 

Our department orientation (8/21) is not required, but it is highly encouraged that you attend. Not only will you be able to meet your fellow classmates, but we'll also be reviewing campus and department resources, program requirements and expectations, and will host our own Sexual Violence Sexual Harrassment Training, which satisfies the university's in-person SVSH training requirement. We'll also end the day with the office draw!  

Please note that for those of you serving as a GSI this fall, you are required to attend the Teaching Conference for New GSIs and first-time international GSIs are required to attend the  Teaching in the U.S. Classroom Conference (tentative dates above).  

In summary, while it is encouraged that you arrive in Berkeley as early as possible (early/mid-July), the latest you can arrive and still attend all of the required trainings and take the fall prelim is mid-August.

Financial Matters

Students in the Math Department are funded through a combination of sources including Graduate Student Instructor (GSI) or Graduate Student Researcher (GSR) salaries, fellowship stipends, university fellowships (Berkeley, Chancellor's, Regents, Ning, etc.) or external fellowships (NSF, NDSEG, NPSC, etc.). In order to receive fellowship payments from the university, students must be officially registered and in good standing. To be considered registered, you must be enrolled in at least one class, have had at least the first installment of fees paid, and have no registration blocks. Please note that full-time enrollment (12 units or a DSP approved reduced course load) is required to remain in compliance with fellowship policy. 

Here is an estimation of when you can expect to receive your first payments from the university (assuming you are a registered student at this time): 

  • GSI or GSR Salary if HR onboarding completed by communicated deadlines: ~September 1, 2024 (for August work); if HR onboarding completed after the deadline: ~October 1, 2024 (for August & September work)  
  • Department Relocation or recruitment stipends - last week of August 2024
  • University Fellowship Awards (Berkeley, Chancellor's, Ning, etc.) - last week of August 2024
  • External Fellowships - please refer to granting institution for pay dates  

 A delay in payment could be caused by not being considered a registered student, not having an up-to-date GLACIER record (for international students only), registration blocks, or department delays.  

To receive your fellowship payments via direct deposit please make sure to sign up for EFT (Electronic Funds Transfer). The EFT website can also be accessed in CalCentral.

To receive your GSI/GSR salary payment via direct deposit please sign up for EFT during your HR onboarding session with Berkeley Regional Services - ERSO. After your GSI/GSR appointment has been processed by ERSO, you can also sign up for direct deposit via  UC Path .  If you plan to receive paper checks instead of signing up for direct deposit, please make sure your "Local Address" is correct in CalCentral . Direct deposit is STRONGLY recommended to receive payments.  

Also, please keep in mind that receiving  financial assistance from the university may have tax implications  that you are not very familiar with. University and department staff are not able to give tax advice so we encourage you to consult the  IRS website  for more information, and or a personal/family certified tax accountant for assistance.  

International students can find more information on U.S. taxes via the  Berkeley International Office website on tax reporting.

Stay Healthy! Medical Checklist and Immunization Information 

Once enrolled for the fall term, your  Student Health Insurance Plan (SHIP)  coverage will start on August 1, 2024 and run through December 31, 2024. Your spring 2024 coverage, once enrolled, starts January 1, 2025 - July 31, 2025. If you have alternate health insurance coverage and do not want to enroll in SHIP please submit your waiver to the University Health Services (UHS) by the deadline in mid-July - see link below for more information and to submit the waiver. Before arriving, please review the new student medical checklist below so that you come prepared for any medical emergencies that may arise. Also, please make sure to review the UC Immunization Requirement policy either via the link below or through your CalCentral account.

Orientation & Academics 

Prelim workshop & prelim exam .

(This prelim section is for Math and Applied Math graduate students only. Logic students can find more information on program requirements and the  Logic prelim exams here. ) 

Taking the prelim exam is the first requirement math graduate students will attempt in the program. All graduate students are required to pass the exam within their first three semesters of the program. It is held every semester (fall & spring) on the Monday and Tuesday mornings before instruction begins. This fall the exam will be held on  Monday, August 26 and Tuesday, August 27.  

The purpose of the prelim exam is to make sure that graduate students have sufficient working knowledge of foundational undergraduate material in the early stages of the PhD program, and to give early feedback on gaps in knowledge. Its intention is not to weed out students, but rather help strengthen one's understanding of core material. There is no penalty for having to retake the exam more than once so we recommend students take the exam in the fall. 

The Prelim Exam also gives you the chance to meet with your cohort and study! It's good to get in the habit of studying and working together - math doesn't have to be lonely in graduate school! We encourage you to attend the Prelim Workshop, which will be run by current graduate students. A practice prelim exam will be held the week before the exam. Topics will alternate between algebra and analysis. You can find the complete schedule on the workshop website (updates forthcoming).

Math Graduate Student Orientation (For all incoming Math, Applied Math, and Logic students)

The Mathematics Graduate Student Orientation is scheduled for  Wednesday, August 21st, 2024.  It will be an all day event, which will include a continental breakfast and lunch(RSVP form will be sent via email). More information including a full agenda will be sent closer to the date. You can see a  general agenda here . Fall Enrollment 

Fall enrollment for new graduate students opens on Friday,   July 19th, 9:15am - 4:45 pm.  Registering on-time, and before August 1st, ensures that you will have timely access to health insurance coverage and access to campus resources. 

Course enrollment at Berkeley occurs in two phases (1 & 2) and is assigned based on one's standing (Grad, UG Freshman, Sophomore, etc.). For fall, new graduate students are able to sign up for classes in one phase in late July. All math graduate students must be enrolled full-time with a minimum 12-unit course load each semester. Students needing accommodations such as a reduced course load must be registered with the  Disabled Students' Program.  

In addition to being required to enroll in 12 units each semester, as a program requirement, all first years must enroll in at least four courses total across the fall and spring terms. At least two of these must be graduate courses in Mathematics. MPS 375 and 303 do not count towards the satisfaction of this requirement. MPS 375 is a pedagogy course that all first-time GSIs are required to take. For reference of the course offerings to expect, you can view our course offerings on the  Schedule of Classes  [use the lefthand bar to filter by term and course level (e.g. grad or undergrad)] or on our website  here . To view courses offered in other departments visit the  Berkeley Guide . I recommend using the top ribbon to search by subject rather than by keyword. 

Before finalizing your course schedule, please discuss your plans with your assigned first-year faculty adviser. You will be assigned a faculty adviser in early summer. If you have any general questions about enrollment and your options please feel free to contact us. 

Employment as a GSI or GSR 

The two primary forms of employment for graduate students in the Math Department are Graduate Student Instructor (GSI) and Graduate Student Researcher (GSR) appointments. GSRs are appointed directly by the supervising faculty member. The majority of first-year students work as GSIs for the department.

In late spring/early summer an application will be sent out to all students who will be working as GSIs this fall so that we can collect your teaching preferences. We will do our best to match you to your preferences, but please keep in mind that you may not be assigned your first choice. The majority of first-year students are assigned to our larger, lower-division courses as assignments are made based on seniority and prior GSI experience. When submitting your preferences please make sure that your own course schedule does not conflict with the course you may be assigned to as a GSI. Some instructors require attendance at lecture and you will always need to be available to proctor in-class midterms and final exams. The instructor teaching the course is your supervisor so please make sure to have your travel plans for winter and summer break approved by them in advance of making any travel arrangements. You may be needed several days after the final exam is given to complete final grading and administrative duties so it's important that you work with your supervising faculty member to identify when it will be okay for you to depart from campus for breaks.

Fall GSI appointments officially start on August 1st and end on December 31st. Thus, students are paid for the entire month of August and December even though GSI work typically doesn't begin until the start of the semester and usually ends before December 31st.  In order for students to be paid the correct amount it is important that they complete HR onboarding (official employment verification) with Berkeley Regional Services / ERSO by the stated deadlines. Students who do not complete onboarding by the stated deadline may not be paid their GSI salary until October 1st.  More information on onboarding sessions will be sent later this summer. 

Requirements for first-time GSIs: 

  • Attend the daylong  Teaching Conference  sponsored by the  GSI Teaching & Resource Center . This conference is held each semester on the Friday before classes begin. Pre-registration is required. All first-time international GSIs must also complete the  Teaching Conference for International GSIs , which takes place in the fall semester the Thursday before classes begin. Pre-registration is also required for Thursday's offering.
  • Successfully complete the  online course GSI Professional Standards and Ethics in Teaching   before  interacting with students (in person or online) as an instructor.
  • Enroll in and complete the  300-level pedagogy course for first-time GSIs , MPS 375. All GSIs teaching for the first time on campus must take a 300-level pedagogy course, regardless of prior teaching experience or previous courses taken at other universities. If you have a course conflict with MPS 375, students may take a pedagogy course offered by another department as long as you have approval from the Vice Chair for Graduate Studies, Sug Woo Shin, and the alternate department. 
  • All first-time GSIs must attend an hour-long  Academic Student Employee (ASE) orientation session . Advanced registration is NOT required.

Language Proficiency Requirements for International Students 

International students must satisfy an English language proficiency requirement in order to serve as a GSI. If English is your first language, if you attended a US institution for your undergraduate degree, or if you scored at least 26 on the speaking portion of the TOEFL IBT, then you are eligible to teach. However, you must still report your status through the  Language Proficiency Questionnaire . The deadline to complete the questionnaire for incoming students is June 1, 2024. 

All other students must pass an English language proficiency exam, and in some cases take a class before being eligible to teach. We will write further about the steps needed to satisfy this language requirement in advance, but please be aware that it is your responsibility to ensure that this requirement is satisfied, and that your offer of a GSI appointment is contingent upon satisfying this requirement.

In this role, you will support undergraduate students in internship programs to increase diversity and inclusion in STEM. Qualifications

Basic qualifications (required at time of application)

Master’s degree in education, science, engineering, or mathematics

Additional qualifications (required at time of start)

Familiar with current literature on best practices and experience supporting and developing programming for low-income and first-generation college students in STSEM.

Preferred qualifications

Experience developing and implementing training and mentorship to Undergraduate Peer Mentors.

Broad knowledge of UCSB divisions, offices, and departments, and university personnel and procedures appropriate to a varied range of activities and coordination

Ability to communicate with faculty, staff, funding agencies, professional and public audiences.

Strong organizational skills and ability to appropriately prioritize competing tasks without com-promising quality of work.

Ability to work as a member of a team as well as independently to execute priorities in a self-directed manner.

Experience developing and implementing a marketing and advertising plan for social media and digital platforms

Excellent written and oral communication skills.

Computer skills and graphics expertise necessary to compile and develop technical reports.

Dear Colleague Letter: Non-Academic Research Internships for Graduate Students in Hydrogen and Fuel Cell Technologies (Hydrogen INTERN) Supplemental Funding Opportunity

Dear Colleague:

Fostering the growth of a globally competitive and diverse research workforce and advancing the scientific and innovation skills of U.S. students are strategic objectives of the National Science Foundation (NSF). Supporting the development of a skilled workforce in energy efficiency and renewable energy is a strategic objective of the U.S. Department of Energy (DOE). The NSF and DOE's Office of Energy Efficiency and Renewable Energy (EERE) have established a partnership to support internship and training opportunities to meet these strategic objectives with a focus on hydrogen and fuel cell technologies. A new generation of skilled workforce is needed to drive research and development of hydrogen production, delivery, infrastructure, storage, fuel cells, and multiple end uses across transportation, industrial, and stationary power applications. For more information on DOE-EERE's priorities for hydrogen energy research, please see the DOE's Hydrogen Program Areas and the U.S. National Clean Hydrogen Strategy Roadmap .

This Dear Colleague Letter (DCL) describes this unique partnership with DOE EERE's Hydrogen and Fuel Cell Technologies Office (HFTO) and is aligned with and conforms with the NSF INTERN opportunity described in the Dear Colleague Letter: Non-Academic Research Internships for Graduate Students (INTERN) Supplemental Funding Opportunity . This DCL is referred to as the Hydrogen INTERN DCL.

SUPPLEMENTAL FUNDING OPPORTUNITY

NSF will consider supplemental funding requests in the broad area of hydrogen and fuel cell technologies that enable PIs (or Co-PIs) to request supplemental support of up to $55,000 and six months for graduate students supported on active NSF grants with the following goals:

  • To provide graduate students with the opportunity to augment their research assistantships or NSF Graduate Research Fellowship Program (GRFP) fellowships with research internship activities and training opportunities that will complement their academic research training.
  • To allow graduate students to pursue new activities aimed at acquiring professional development experience that will enhance their preparation for multiple career pathways after graduation.
  • To encourage the participation of the full spectrum of diverse talent in science, technology, engineering, and mathematics (STEM).

DESCRIPTION OF THE ACTIVITIES SUPPORTED

The PI/co-PI of an active NSF award may request supplemental funding for one or more graduate students to gain knowledge, skills, training, and experiences in hydrogen and fuel cell technologies and their application areas.

Internship hosts include, but are not limited to:

  • Private sector companies, laboratories, or industry research and development groups.
  • Start-up businesses such as, but not limited to, those funded through the NSF's Small Business Innovation Research (SBIR) program and Small Business Technology Transfer (STTR) programs.
  • Department of Energy Laboratories, other government agencies (all levels), and National Laboratories.
  • Museums, science centers, and other informal learning settings that educate the public.
  • Policy think-tanks.
  • Non-profit organizations.

Prior to submission, PIs are encouraged to discuss possible INTERN supplements with the cognizant NSF Program Director Points of Contact listed in this DCL to ensure the proposed internship and its topic are a good fit for this DCL. It is expected that the graduate student and the PI on the NSF grant will work together to identify experiences that add the most educational value for the graduate student through activities that are not already available at the student's academic institution. Further, it is expected that the internship will be research-focused and will be on-site at the host organization unless a specific exception to this is granted by the cognizant Program Director due to extenuating circumstances.

ELIGIBILITY

To be eligible for this opportunity, graduate students must have completed at least one academic year in their graduate program (master's or doctoral) prior to commencement of the proposed INTERN activity and be making satisfactory progress toward completion of their degree.

SUPPLEMENTAL FUNDING REQUEST PREPARATION INSTRUCTIONS

Information about requesting supplemental support is contained in the NSF PAPPG ), Chapter VI.E.5. In addition to the PAPPG requirements for supplemental support, the following materials must be included.

  • A two-page summary that describes the internship
  • A one-page personal statement from the graduate student describing career goals, accomplishments, and how the activity will better prepare the individual to enter the workforce.
  • Research summary to include contribution(s) to research discipline
  • Institution(s)
  • Year of study (1st year, 2nd year, etc.)
  • Completed coursework
  • Employment and volunteer/outreach history
  • Publications (accepted only)
  • Other information relevant to the proposed internship
  • A letter of collaboration from an authorized official at the host organization that describes the internship opportunity and mentoring the student will experience during the internship. The letter should include a statement confirming that neither the graduate student nor the PI has a financial interest in the organization hosting the internship.
  • An endorsement letter from the PI that confirms that the student meets the eligibility requirements specified in this DCL. The letter must describe how the proposed internship activity will contribute to the student's graduate education experience and how it may impact time to degree.
  • The NSF recipient and Host Organization must agree in advance as to how intellectual property (IP) rights will be handled. A signed agreement on IP (including publication and patent rights) must be submitted either as a supplementary document or, via email to the cognizant Program Director after submission of the supplementary funding request and prior to the award of the supplemental funding. NSF is responsible neither for the agreement reached nor the IP information exchanged between the NSF recipient and Host Organization.
  • A budget and budget justification.

SUPPLEMENTAL FUNDING AMOUNT

The total amount of funding requested must not exceed $55,000 per student per six-month period. NSF plans to fund up to approximately 10 or more supplements in each fiscal year starting with FY 2024, depending on availability of funds.

ALLOWABLE COSTS UNDER THIS DCL

Funds may be used to support travel, tuition and fees, health insurance, additional stipend, and temporary relocation costs for the graduate student. Additional stipends are not allowed for GRFP fellows "on tenure" (currently receiving a GRFP stipend), but a stipend will be considered for fellows "on reserve" (not currently receiving a GRFP stipend) equal to the monthly rate of the GRFP stipend. Up to $2,500 may be used for the PI or the graduate research fellow's advisor to travel to work with the host organization in co-mentoring the student during the internship. Up to $2,500 may be used for materials and supplies to support the student during the internship. Travel costs must be allocated in the budget request for the graduate student to travel once to Washington DC, to present the outcomes of the INTERN project at the DOE's Annual Merit Review meeting. The recipient is permitted to request indirect costs in accordance with their approved/negotiated indirect cost rate. The total requested budget cannot exceed the limits listed under the "Supplement funding amount" section above. Note: Spousal and dependent travel are not supported.

PERIOD OF SUPPORT

The supplement funding will provide up to six months of support for an internship. Up to two supplemental funding requests may be submitted on a grant per student. This would allow the student up to two internship periods of up to six months each (i.e., a maximum of 12 months per student).

Supplemental funding requests may be submitted at any time with a target date of June 15 for Fiscal Year 2024 and April 15 for future Fiscal Years.

SUBMISSION & REVIEW

Requests for supplemental funding must be submitted electronically via Research.gov. A PI or co-PI on an NSF award must contact his/her cognizant program director prior to submission. GRFP INTERN supplement requests are submitted by the GRFP PI, not by the GRFP fellow or the fellow's research advisor. Requests for supplemental funding submitted in response to this DCL will be reviewed internally by NSF Program Officers. All supplements are subject to (a) the availability of funds, and (b) merit review of the supplemental funding request.

SPECIAL AWARD CONDITION

Intellectual Property Rights: Internships under this DCL are considered equivalent to traineeships. The National Science Foundation claims no rights to any inventions or writings that might result from its traineeship awards. However, trainees should be aware that NSF, another Federal agency, or some private party may acquire such rights through other support for particular research. Also, trainees should note their obligation to include an Acknowledgment and Disclaimer in any publication.

POLICY OR CODE ADDRESSING HARASSMENT

Recipients are required to have a policy or code of conduct that addresses sexual harassment, other forms of harassment, and sexual assault. The recipient should work with the Host Organization to ensure that the Host Organization also has a policy or code of conduct that addresses sexual harassment, other forms of harassment, and sexual assault including reporting and complaint procedures and to confirm that such policy both covers and protects INTERN students interacting with the Host Organization. The recipient should also coordinate with the Host Organization to provide orientation to graduate students to cover expectations of behavior to ensure a safe and respectful environment, and to review the recipient and host organization's policy or code of conduct addressing sexual harassment, other forms of harassment, and sexual assault, including reporting and complaint procedures.
