A well written cover letter can make all the difference when it comes to getting your visa approved, so it’s important to take the time to craft one that is effective and persuasive.

In this article, we will show you how to write a cover letter for visitor visa application that will help you get the approval you need. We’ll cover everything from what to include in your cover letter to how to avoid common mistakes, so you can increase your chances of success.

So, whether you’re planning a trip to visit friends and family, attend a business conference, or just for tourism purpose, read on to learn how to write a cover letter that will get you there.

What is a Visitor Visa and Why You Need to Submit a Cover Letter?

A visitor visa is a document that allows you to enter a foreign country for a temporary period of time. Depending on the country you’re visiting, you may need to apply for a visitor visa in advance, and you will typically need to submit a cover letter along with your visa application. The cover letter is an opportunity to demonstrate why you should be granted a visitor visa and to provide additional information.

When applying for a visitor visa, a cover letter serves as an introduction to your application and provides the visa officer with a comprehensive understanding of your purpose of visit, your plans, and the supporting documents you have enclosed. A cover letter allows you to showcase your personal and professional details, such as your employment status, financial stability, and travel history, which can greatly increase your chances of having your visa application approved.

Additionally, a cover letter helps to provide context and clarification to your visa application, especially if there are any gaps or inconsistencies in your application or supporting documents. It also gives you the chance to explain any special circumstances or requests.

In short, a cover letter is an essential part of your visitor visa application and provides the visa officer with a clear and concise overview of your application. By submitting a cover letter, you increase your chances of having a positive outcome of your visitor visa application.

Tips on Crafting an Effective Cover Letter for Visitor Visa Application

Here, we are going to share tips and tricks to help you write an effective cover letter that will convince the visa officer to grant you a visa.

Some of the key tips are:

  • Customizing your cover letter to fit your specific trip and situation
  • Demonstrating your ties to your home country
  • Proving your ability to support yourself during your trip
  • Making your cover letter concise, compelling, and easy to read

How to Structure Your Cover Letter and What Information Should Be Included?

The structure of your cover letter is just as important as the content. A well structured cover letter will make it easy for the visa officer to understand your purpose for traveling and the reasons why you should be granted a visitor visa. We will show you how to structure your cover letter and what information you should include to make it effective.

Some of the key information you’ll need to include in your cover letter includes:

  • Your full name and contact information
  • The purpose of your trip
  • Your travel plans, including your itinerary and the names and addresses of any places you’ll be staying
  • Write about your financial stability
  • Write about your ties to your home country
  • Write about your travel history
  • Your intent to return to your home country

Important: These days we usually see that visa applications are submitted at the VFS Global (visa application centre) and not directly at the embassies or consulates. Applicants do not get a chance to face the visa officer to explain his/her situation. In this case, a Cover Letter provides you a chance to express yourself in front of a visa officer.

Canada Visitor Visa: Your Ultimate Guide to Exploring requirements of the Great White North

Canada Visitor Visa: Your Ultimate Guide to Exploring requirements of the Great White North

Purpose and Importance for Canada Visa Applications

A tourist cover letter, also known as a letter of explanation or statement of purpose (SOP), is a crucial document that accompanies your Canada visitor visa application. It provides a comprehensive outline of your travel arrangements, showcases your genuine intentions as a visitor, and can have a significant influence on the outcome of your application. A well-crafted cover letter demonstrates your preparedness, commitment, and respect for the visa process, increasing your chances of approval.

When is a Cover Letter Required for a Visitor Visa?

Although not always mandatory, including a cover letter with your Canada visitor visa application is highly recommended. The visa officer might ask for more information or clarification, and a well-written cover letter can effectively address these concerns. Even if not explicitly requested, a cover letter allows you to proactively provide context and details about your planned trip, reinforcing your status as a genuine visitor.

Essential Elements of a Canada Visitor Cover Letter

Embassy/consulate address and your contact details.

Commence your cover letter by directing it to the appropriate embassy or consulate where you plan to submit your visa application. Clearly state your full name, mailing address, email address, and contact number. This information establishes a direct line of communication and demonstrates your professionalism and attention to detail.

Proposed Travel Dates and Itinerary

Provide detailed information about your proposed travel dates, including the duration of your stay in Canada. Outline your planned itinerary, including the cities or regions you intend to visit, any specific activities or events you plan to attend, and your mode of transportation within Canada. A well-planned itinerary showcases your commitment to your trip and your familiarity with Canada's attractions and offerings.

Financial Ability to Support Your Visit

In your cover letter, it is essential to demonstrate your financial capability to cover the costs of your trip to Canada. Offer details about your employment, sources of income, bank statements, or any other pertinent financial documents that prove your ability to finance your visit without the need for employment or other means of income generation while in Canada. This information reassures the visa officer that you have the resources to support yourself throughout your stay.

Personal Information like Employment, Income, etc.

Include relevant personal information, such as your current employment status, occupation, income details, family situation, and any ties you have to your home country. This information helps establish your ties to your home country and reinforces your intention to return after your temporary visit to Canada. It also provides context about your circumstances and motivations for traveling.

Invitation Details if Applicable

If you have been invited by family, friends, or an organization in Canada, provide details about the invitation, including the name of the person or organization, their relationship to you, and any supporting documentation, such as invitation letters or correspondence. This information reinforces the genuineness of your travel plans and the existence of a support system in Canada. Want to know more? Grammatical Errors or Wrong Formats

Review your cover letter meticulously to guarantee it is devoid of grammatical errors, typos, or formatting inconsistencies. A well-written and professional document can create a positive impression and demonstrate your attention to detail and respect for the visa process.

Body The body of your cover letter should be divided into two or three paragraphs. In the first paragraph, you should explain in detail why you want to visit Canada. This could include the places you plan to visit, the people you intend to meet, and any activities or events that you’re interested in attending.

In the second paragraph, you should provide information about your current employment status, including your job title, company name, and salary. You should also mention how long you’ve worked at your current job and whether you have any other sources of income.

In the third paragraph, you should provide information about your travel history, including any previous visits to Canada or other countries. You should also mention whether you have ever overstayed a permitted length of stay in any country.

Closing In your closing paragraph, you should summarize the purpose of your trip and express gratitude for having the opportunity to travel to Canada. You should also provide your contact details, including your phone number and email address, so that the visa officer can get in touch with you if necessary.

To make your cover letter more effective, you should use a professional and polite tone throughout. Avoid using slang or casual language, and make sure to proofread your letter carefully to avoid any errors or typos.

Overall, by following this structure, you should be able to create a strong cover letter that will increase your chances of getting approved for a Canada visitor visa. Good luck with your application!

Attn.: Visa officer

Subject: Canadian Visitor Visa Application

Dear Sir/Madam,

I have recently been invited to attend my brother’s wedding in Mississauga, Ontario, Canada. My brother, Virat Sharma, who is a Canadian citizen, has planned to host the wedding ceremony on February 14th, 2023, and I would like to enter Canada for two weeks, from February 8 to 21, 2023, to attend the event.

My Travel History

I previously visited Canada for one week in August 2013 to help accompany my brother, Virat Sharma, before he started his education at York University. I have remained in India since then and have maintained steady employment in New Delhi’s IT industry.

My Employment and Savings

My current employer is Kbeattech, a Digital Solutions Company based in New Delhi. I receive a fixed salary of INR 100,000 or CAD $1,600 per month as a programmer and currently have INR 2,300,000 or CAD $37,400 in savings stored in my primary bank account in India. You can review my savings in the bank statement attached to my temporary visitor visa application.

I intend to bring approximately CAD $7,000 with me for my visit to Canada and will pay for my full expenses during my stay.

Travel Details

I will be residing at my brother’s residence at 303 City Centre Dr, Mississauga, ON L5B 1M7, Canada, once I arrive on February 8, 2023. I will stay at this residence for the duration of my visit. My brother’s contact number is 647-000-0000.

The wedding will be held at Mississauga Grand Banquet & Event Centre, 35 Brunel Rd, Mississauga, ON L4Z 3E8, Canada. I intend to visit different attractions such as Dundas Square, Kensington Market, and the CN Tower in the Greater Toronto Area during my stay. I have no intention of venturing outside this region.

Health and Vaccination Details

I am also in good health and have remained free from major health issues in my life. I have received two COVID-19 vaccinations to date. These are:

  • Moderna Vaccine (First Shot): Received on June 21st, 2021
  • Moderna Vaccine (Second Shot): Receive on July 14th, 2021

I have attached my vaccination certificate with my temporary visa application.

Intention to Return to India

I intend to leave Canada by February 21st, 2023, via Toronto’s Pearson International Airport. My parents, Akash Sharma and Kinshuk Sharma reside at my residence in New Delhi, and I intend to return to them after my trip to Canada. I have also informed my employer that I will be returning to work by February 22nd, 2023

I would appreciate your support in issuing a temporary visitor visa before my intended travel date so that I may arrive in time to help organize and participate in my brother’s wedding. I have included the information requested in the original application package. Similarly, a purpose-of-travel Canada tourist visa sample letter would need to include additional details about each city you will visit and where you will stay. So, it would help if you mentioned hotels , hostels , or Airbnb rentals you will reside at.

Application for a Visitor Visa (Temporary Resident Visa - TRV)

You need to give your biometrics.

In most cases, you now need to give your fingerprints and photo (biometrics) after you apply.

Find out who needs to give biometrics and how the new application process works.

Biometrics and the application process

Image that represents the different stages of the application process and biometrics.

We refer to your fingerprints and photo as biometrics. We collect biometrics for most applications. Find out what happens from when you submit your application to when you get to Canada and where biometrics fits in the process.

1. Apply for your visitor visa, study permit or work permit

If you want to visit, study or work in Canada, make sure you’re eligible to apply. Use our application guides to help fill out your application properly, then submit your application.

Avoid processing delays by sending us a complete application .

2. Get your fingerprints and photo taken

If you’re between 14 and 79 years old, you probably need to give your fingerprints and photo (biometrics). You only need to give your biometrics once every 10 years to make repeat trips to Canada easier.

  • You must pay the  biometrics fee   when you submit your application.  Otherwise you may experience delays.
  • Get this done  as soon as you get the letter  from us that tells you to give biometrics.
  • You have  30 days  to do this from the date on the letter.

Find out who needs to give , how to give , and  where to give your biometrics .

COVID-19: Biometrics deadline

Some biometrics collection sites are closed. If the site closest to you is closed, we’ll extend your deadline to give your biometrics. Find out how COVID-19 is affecting biometrics .

3. We process your application

After we get your biometrics, we start processing your application. See how long it takes to process your application.

If we need more information from you, we’ll contact you.

4. We make a decision on your application

When we finish reviewing your application, we let you know if you’re approved to come to Canada. If you are, we issue your documents.

If your application is refused, we send you a letter that tells you why.

5. You travel to Canada (if you’re approved)

Make sure you travel with the documents we gave you. This includes travel documents like a visitor visa, study or work permits or an eTA (electronically linked to your passport).

Airline staff and border service officers at ports of entry will ask to see your travel documents. If you don’t have them, you may not be able to board your flight to Canada.

Make sure children under 18 travel with the right documents .

6. We check your identity when you arrive in Canada

When you arrive, we check your identity to make sure that you are the same person who was approved to travel to Canada. We may use your biometrics to do this.

If we can’t verify your identity, you may be detained by a border services officer. These officers help protect the health and safety of Canadians.

If the officer determines that you’re not admissible to Canada, you won’t be allowed to enter Canada. If you came by air, you’ll have to take a return flight to where you came from.

7. You’re allowed to enter Canada

If you pass the identity check and meet the entry requirements , the border services officer stamps your passport and lets you know how long you can stay in Canada. You’re normally allowed to stay in Canada for up to six months.

Children under 18 must meet the same entry requirements as adults. The border services officer may ask minor children to show other documents depending on whether the child is travelling alone or with someone.

Basic entry requirements

You must meet some basic requirements to enter Canada. You must:

  • have a valid travel document, like a passport

  • convince an immigration officer that you will leave Canada at the end of your visit
  • The amount of money you will need depends on how long you will stay and if you will stay in a hotel, or with friends or relatives.

Some people are not admissible to Canada, which means they are not allowed to enter the country. You can be inadmissible for several reasons, including being involved in:

  • criminal activity
  • human rights violations
  • organized crime

Canada Cover Letter

In Canada, a well-written cover letter can be just as important as a strong resume when it comes to landing your dream job.

While cover letters may seem daunting, they are an essential component of the job application process. A well-crafted cover letter can set you apart from other applicants and demonstrate your professionalism, attention to detail, and passion for the position.

In this article, we’ll provide tips and guidelines to help you create a compelling Canada cover letter that will impress employers and increase your chances of landing an interview.

Canada Cover Letter Font

6. signature, researching the company, proofreading and editing, cover letter sample 3 (fresher), canada cover letter basics.

A cover letter is a document that introduces you to potential employers and highlights your qualifications, skills, and experience. It is your chance to make a great first impression and convince hiring managers that you are the right person for the job.

Canada Cover Letter Format

In Canada, a cover letter should follow a standard format that includes your contact information, the date, and the recipient’s contact information. Begin with your name, address, and contact details, followed by the date and the recipient’s name, and address. Use a clear and organized layout to ensure your cover letter is easily readable.

Canada Cover Letter Length

A Canadian cover letter should be concise and limited to one page in length . This allows you to effectively showcase your qualifications and experiences without overwhelming the reader.

It is crucial to choose a professional-looking font for your cover letter. Common font choices include Times New Roman, Arial, or Calibri. Be consistent with your font selection throughout the cover letter to maintain a polished appearance.

When it comes to font size, aim for a balance between readability and space efficiency. A font size of 10 to 12 points is generally considered appropriate in a Canadian cover letter. This ensures the text is large enough to be easily readable, but not too large that it takes up excessive space on the page.

Canada Cover Letter Structure

The structure of a Canadian cover letter typically consists of an introduction, body, and conclusion .

  • In the introduction , you should introduce yourself and express your interest in the position.
  • In the body , focus on your qualifications, relevant skills, and experiences that make you a valuable candidate for the job.
  • Conclude by thanking the reader for their time and consideration.

Canadian cover letters typically begin with a header containing the applicant’s name, job title, city and province, phone number, and email address.

It’s also essential to include the current date . The header should be consistent with the one used in the applicant’s resume for a cohesive presentation.

2. Greeting

In the greeting section, address the hiring manager by their full name and title. If the name is not available, use a generic salutation such as “Dear Hiring Manager” or “To Whom It May Concern.”

Personalization is preferred, so make an effort to find the hiring manager’s name when possible.

The opening paragraph serves as an introduction and an opportunity to grab the hiring manager’s attention. Applicants should briefly mention the job title and company they’re applying to, and express enthusiasm for both the position and the organization.

Including keywords from the job posting and aligning personal skills with the employer’s requirements will make the opening more impactful.

In the body of the cover letter, applicants should elaborate on their relevant skills, experiences, and achievements. It’s necessary to make connections between the job requirements and the applicant’s qualifications.

  • When discussing experiences, be specific and focus on accomplishments rather than just listing responsibilities.
  • Use bullet points or short paragraphs to present the information in a clear and easy-to-read manner.

The body of the letter should effectively convey the applicant’s background and qualifications while demonstrating a genuine interest in the role and the company.

The closing section is the final opportunity to leave a positive impression on the hiring manager. Here, applicants should reiterate their enthusiasm for the position and summarize their qualifications .

It’s also appropriate to politely request an interview and express gratitude for the manager’s time and consideration. End the closing paragraph with a professional and respectful closing such as “Sincerely” or “Best Regards.”

Lastly, include a signature in the cover letter which may consist of the applicant’s full name and any relevant professional designation or certification.

If the cover letter is being sent electronically, either type the full name or use an electronic/digital signature as a more personal touch.

Customizing Your Cover Letter

Tailoring to the job.

When customizing your cover letter, it is essential to tailor it to the specific job you are applying for. Start by carefully reviewing the job description and noting the key requirements, responsibilities, and qualifications mentioned.

Then, in your cover letter, emphasize how your skills and experiences align with these aspects of the job. In doing so, be sure to use relevant keywords and phrases from the job description to demonstrate your understanding of the role.

Split your text into concise paragraphs that focus on different aspects of the job, such as your relevant experience, technical skills, and soft skills. You may also consider using bullet points to highlight specific achievements that directly relate to the position.

In addition to tailoring your cover letter to the job, you should also research the company and demonstrate how your values and goals align with theirs . This shows that you have taken the time to understand the organization’s culture and objectives and that you would be a good fit for the team.

You can find information about a company’s values and goals on its website or through news articles, press releases, and social media accounts.

Remember, customizing your cover letter for each position you apply to and researching the company can make a significant difference in making a positive first impression on a recruiter or hiring manager. By focusing on these aspects, you demonstrate your attention to detail and genuine interest in the job and company, improving your chances of landing an interview.

Writing Tips for a Canadian Cover Letter

Highlighting achievements.

When crafting a Canadian cover letter, it is essential to focus on the tangible accomplishments in your career. Mention specific achievements  that demonstrate your capabilities and experiences relevant to the job you are applying for.

Include quantifiable results, such as increased sales or improved customer satisfaction, to clearly showcase your successes. Use active verbs and concise language to communicate your achievements in a compelling manner.

Focusing on Skills and Qualifications

Employers want to see that you have the necessary skills and qualifications to succeed in the role. Align your skills with the requirements listed in the job description , and provide examples of how you have applied these skills in previous positions. Include both technical and transferable skills that will make you an asset to the company.

Providing specific examples can help create a strong connection between you and the organization, increasing your chances of being invited for an interview.

In addition, mention any relevant education or certifications that demonstrate your qualifications for the position.

Emphasizing Value

An effective cover letter should articulate the  value  you would bring to the company. Explain how your skills, achievements, and experiences will contribute to their success.

Relate your accomplishments to the goals and objectives of the company, and demonstrate your understanding of their priorities and challenges. By doing this, you will show potential employers that you can make a positive impact on their organization.

As a final step before submitting your cover letter, make sure to proofread and edit your work thoroughly. This includes checking for proper grammar, spelling, and formatting.

Ensure that your cover letter is one page long, left-aligned with single spacing , and has one-inch margins .

Use a professional font, such as Arial or Helvetica, at a size between 10 and 12 points. Double-check your work to eliminate any errors, as these may create a negative impression on potential employers.

With a well-written cover letter, applicants can confidently present themselves as an attractive candidate, ultimately improving their chances of career success.

A Canadian cover letter is a short document written in response to a specific job prospect and addressed directly to the hiring manager or individual in charge of hiring for the position. It should add to the information contained in your resume and resent you to the employer as a candidate.

Cover letters are essential in the hiring process as they provide candidates with the opportunity to introduce themselves, demonstrate their qualifications, and show enthusiasm for a specific role and company.

They serve as a personalized communication tool, allowing candidates to make a positive first impression, tailor their message to the job, and address potential concerns or unique situations.

A well-written cover letter enhances a candidate’s chances of standing out and securing an interview in Canada .

The following are general guidelines only. You must tailor your cover letter to suit your own experiences, and to suit the specific position you are applying for.

Before You Begin

Once you find a specific job posting that you want to apply for, you can begin to work on your application cover letter. Following these steps before you begin will help you write the best cover letter possible.

1. Do Your Research

Before you begin to write your cover letter, learn everything that you can about the company or organization you are applying to. Check out their website and social media pages, research their top competitors, and read recent industry news articles. Learn the name(s) of the individual(s) who will be in charge of hiring for the position you want, as well as the head(s) of the company.

Also, keep in mind the job description and requirements for the role. it allows you to create a cover letter that showcases your qualifications, aligns with the company’s needs, and demonstrates your genuine interest in the position. This, in turn, increases your chances of being noticed and considered for the role.

Doing this research will help you decide what you should include. Do your research for every cover letter you write. It may take some time, but you have a much better chance of being granted an interview if you have tailored your cover letter to the individual who will be reading it.

2. Check for Instructions

Some employers include instructions in their job postings. They might ask you to include specific information or answer certain questions, in your cover letter. Check whether the employer has left any specific instructions for your cover letter. If they have, follow them carefully.

3. Save time by using a Master Template:

Creating a separate cover letter for every job application can be exhausting. Instead, develop a comprehensive cover letter template that highlights your key qualifications, skills, and experiences.

Keep a library of snippets or bullet points highlighting your achievements, skills, and relevant experiences. You can easily insert these into your cover letter as needed. This template can serve as a foundation for various job applications, making the process more efficient.

Formatting Guidelines

There is a standard cover letter format that most Canadian employers will expect you to follow. However, depending on your industry and the specific job posting you are responding to, you may have to change the formatting of your cover letter.

1. Length  Your cover letter should be no more than one page in total.

2. Font  Your font should be consistent throughout your cover letter, and you should choose a professional-looking font. Your font size should be big enough that it is easy to read when your cover letter is printed.

3. Spacing  Your cover letter should be appropriately spaced. The main body should be single-spaced, with sufficient space left between each new paragraph and section.

What to Include

There are seven sections in a cover letter.

1. Your Information  Your name and contact information should be at the top of your cover letter. Include your:

  • First and last name
  • Current residential address
  • Phone number
  • Email address

2. Date  Below your information, write the date that you are sending your cover letter.

3. Employer Information  Below the date, include the contact information of the individual, department, or company you are addressing in the cover letter. If you know the name of the individual, include their:

  • Position title
  • Company or organization name
  • Commercial address of the company or organization

If you do not know the name of the individual, include:

  • Department in charge of hiring decisions (if known)
  • Commercial address of company or organization

4. Greeting  Use a formal greeting to open your letter. If you know the name of the individual making hiring decisions, address them directly with their prefix and full name. If you don’t know the name of the individual, use a formal, generic greeting like ‘To whom it may concern,’.

5. Main Text:  There are three parts to the main text of your cover letter: the introduction, body, and conclusion.

Introduction  In the first paragraph of your cover letter, you should introduce yourself as a candidate . Include your first name and the position you are applying for. You can also include your post-relevant qualification and how you found the job posting. If you have a contact at the company who referred you to the job, you may want to mention him or her by name and department. Your introduction should be no more than two to three sentences.

Body  In the next couple of paragraphs, you want to convince the employer that you are the best candidate for the job position. Tell them why they should invest in you. If you’re not sure what to include, try to answer these questions:

  • What projects have you worked on that are relevant to this position? What did you learn from them? Why does this make you a better candidate?
  • What responsibilities have you held that are relevant to this position? What did you learn from them? Why does this make you a better candidate?
  • What do you intend to do if you are hired? What benefit does the employer get if he or she hires you instead of someone else?

The body of your cover letter should be one or two paragraphs.

Conclusion  The conclusion is the final paragraph in the main text of your cover letter. It is your opportunity to tell the employer how you feel about potentially working for the company, thank them for the opportunity to apply, and invite them to respond to your application. It should be no more than three or four sentences.

6. Signature  There are two parts to your cover letter signature: the closing line and your full name.

  • Closing Line  Your cover letter must include an appropriate closing line. This is the line right before your name.
  • Full Name  Your full name follows the closing line. It is not necessary to print and physically sign your cover letter since more job applications are done electronically.

Final Revision

Carefully review your cover letters to make sure you have not made any mistakes.

1. Proofread

Check your cover letter for any spelling or grammar mistakes. If possible, have someone else proofread it for you, or come back to it after a night’s sleep. Be sure that you have not made any mistakes in:

  • Your name and contact information
  • The employer’s name and contact information
  • The name of the company or organization you are applying to

2. Check Instructions

Go over any instructions for your cover letter given by the employer and make sure you have followed them carefully.

Make sure that you have the correct date on your cover letter. The date should be the day that you send your cover letter to the potential employer.

Visitor Visa checklist: Everything you need to apply and visit Canada

cover letter for canada visitor visa

A visitor visa is needed to come to Canada as a tourist, or on a quick trip to visit family, or do business for individuals of many countries.

Anyone who is not a permanent or temporary resident of Canada (those with a work or study permit) will need a visitor visa to enter the country. However, citizens of certain countries do not need a visitor visa and can instead pursue an electronic Travel Authorization (eTA). eTAs are a more streamlined form or travel authorisation available to nationals of countries that have visa-free travel agreements with Canada. For answers to common questions on eTAs, click here .

What is needed to get a Canadian visitor visa?

1. Complete the needed forms

Depending on whether you are applying inside or outside of Canada, you will need to fill in different forms. Those applying outside of Canada will require:

  • Application for temporary resident visa (IMM 5257);
  • Family information form (IMM 5707);
  • Statutory declaration of common-law union (IMM 5409);
  • Use of representative (IMM 5476)—Note this is only required if you have used the services of a representative, or if you are appointing or cancelling use of a representative; and
  • Authority to release personal information to a designated individual (IMM 5475)—Note this form is only required if you authorise Immigration Refugees and Citizenship Canada (IRCC) or the Canadian Border Services Agency (CBSA) to release information from your case file to someone other than yourself (i.e.: a representative or authorised relative).

2. Collect the needed documentation

In addition to the above forms, applicants for a visitor visa will need to following documentation in support of their request:

  • Receipt of fee payment;
  • A photocopy of the information page of your passport, including: the passport number, issuance and expiry dates, and your photo, name, issue date, and place of birth;
  • Two photos meeting the requirements of the visa application photograph specifications . On the back of these two photos applicants must write their name and date of birth. If applicants are required to provide biometric fingerprints and photo they do not have to attach these photos;
  • Proof of financial support, proving that you can support yourself and any family member accompanying you while you are in Canada;
  • Photocopy of your marriage license or certificate (if relevant);
  • Letter explaining the purpose of your travel;
  • Photocopy of your current immigration status (if your country of residence differs from the country of citizenship listed on your passport, you must provide proof of legal status in your country of residence);
  • Minors travelling alone or with one parent must provide custody documents or a letter of authorisation from the other non-accompanying parent of a letter of authorisation signed by both parent or legal guardians; and
  • Any other additional documents required by the responsible visa office in your region.

Note that application forms completed online must be completed and validated with the generation of a barcode. If completed on a computer, these barcodes will be automatically attached to the immigration forms, otherwise they must be printed and placed at the top of an application if applying by paper.

How to pay required fees and prove fee payment to IRCC

There are two kinds of fees that applicants for a visitor visa may need to pay. These are application processing fees, and biometric fees. Those who do not need to provide biometrics may be exempt from the second set of fees—find out if you need to give biometrics here .

Application processing fees for visitor visas are $100 CAD per person, and $500 CAD for a family (five or more people).

Biometrics fees on the other hand are $85 CAD per person, and $170 per family (two or more people).

These fees may be subject to change and cannot be refunded regardless of the decision reached on your application. In addition, the only accepted method to pay these fees is online.

After following the given instructions and completing the process, you must wait until an official IRCC receipt is issued with a barcode. Applicants are advised to save this file and attach a copy of it to their application.

How to provide proof of financial support

There are several documents that you can use to prove that you can support yourself and any dependents that accompany you while you are visiting Canada.

Some examples include cash, certified cheque, bank draft, or money order in a large enough amount to cover all reasonable expenses incurred during your stay in Canada.

In addition, written or verbal statements (which can be verified) can also be used, provided that they satisfy an officer that sufficient financial support from friends and/or family has been arranged and can cover reasonable incurable expenses during your stay.

Other documents include bank statements, a letter of employment or previous tax filing information,

How to write a “purpose of travel” letter

All foreign nationals entering Canada must be able to satisfy an officer at their time of entry that they have legitimate reasons to enter and reside in Canada. In the context of a visitor visa, this can often also include proving that you (the foreign national) will leave Canada once the period of your authorised stay expires.

In some cases, visitor visa applicants may also need a letter of invitation from a Canadian citizen or permanent resident .

Applying with family members

Visitor visa applicants wishing to bring their family with them on their trip to Canada must complete an application form for each family member. All applications may be submitted together online or at the VAC where you will send your application on paper. A single receipt may also be given for all included applications.

Lastly all family members and dependents must meet all requirements for temporary residence in Canada.

Do you need to write a letter of invitation for a family member or a friend applying for a visitor visa to Canada? If you’re not sure what to write, here’s a guide on how to make one and an actual sample that I used when I applied for my mother’s visitor visa. I also included a template that you can use so you don’t have to start from scratch.

What’s a letter of invitation, 3 things you should know before writing an invitation letter, what to include in the invitation letter for a visa to canada, sample letter of invitation.

If you’re in Canada and you have a family member or friend applying for a visitor visa to Canada, IRCC usually requires that they submit a letter of invitation from you. In case you’re not familiar with IRCC, the name stands for Immigration, Refugees, and Citizenship Canada. It’s the government department that processes immigration requests, and that includes visitor visa applications.

There are two different kinds of a visitor visa to Canada: the visitor visa, and the parent & grandparent super visa. Super visa is a “special” type of visitor visa where the holder is allowed to stay in Canada for up to 5 years straight. For a typical visitor visa, holders can only stay a maximum of 6 months straight. But both visas are valid for up to 10 years. In this post, I’ll only talk about the visitor visa .

A letter of invitation for a visitor visa to Canada is simply a letter where you write all the information that IRCC needs to know about:

  • Your family member or friend that you’re inviting to visit Canada, and
  • You, your family, and your household members.

You might be asking, “how do I write a letter that will guarantee a visa approval?”

The first thing you should note about a letter of invitation is that it won’t guarantee that your family member or friend’s visa to Canada will be approved. IRCC will assess the person, not you, who’s applying for the visitor visa. It’s your family member or friend’s responsibility to submit proofs that they meet Canada’s immigration laws. And while a letter of invitation is required, it’s not the basis of whether a visitor visa to Canada will be approved or not.

So, there’s no need for you to stress so much about writing one. Just make sure to include all the details required by IRCC and be honest.

Second, writing a letter of invitation does NOT mean that you’re legally responsible for those you are inviting. So for example, if your friend whom you invited comes here as a visitor, and then he overstays illegally, IRCC won’t come after you. Your friend will be the one to pay for whatever fine he needs to settle. But because you’re a good friend, just try to make sure this never happens.

And lastly, you don’t have to prove in the invitation letter that you can financially support the person you’re inviting. You don’t need to show that you’re employed, or how much you’re earning. We did anyway just in case.

But to be clear, it is your family member or friend who should prove to IRCC that they have enough funds to pay for their expenses here in Canada. Even if you write in your letter that you’ll provide for their housing and meals, they need to prove that they have their own money. And that money is enough to pay for their expenses during their visit to Canada. Most importantly, they must prove that they’ll return to their home country and not do anything illegal, like working or overstaying. Otherwise, IRCC might not approve their visitor visa application.

So, what information should you include when you’re writing a letter of invitation for someone applying for a visa to Canada?

I’m quoting here the exact information from IRCC’s website which you can verify here .

When you write your letter of invitation, “you must include this information about the person you are inviting :

  • complete name,
  • date of birth,
  • address and telephone number,
  • your relationship to the person,
  • the purpose of the trip,
  • how long the person plans to stay in Canada,
  • where the person will stay, and how he or she will pay for things, and
  • when the person plans to leave Canada.

And then, “you must include this information about yourself :

  • address and telephone number in Canada,
  • whether you are a Canadian citizen or permanent resident,
  • a Canadian birth certificate, if you were born in Canada,
  • a Canadian citizenship card, if you are a naturalized citizen, or
  • a copy of your PR card or your IMM 1000 proof of landing, if you are a permanent resident,
  • details of your family, such as names and dates of birth of your spouse and dependents (this is mandatory for the parent and grandparent super visa ), and
  • the total number of people living in your household, including people you sponsored whose sponsorship is still in effect (this is mandatory for the parent and grandparent super visa ).”

If you’re wondering, “is there a format or template from IRCC that I can use?”.

I couldn’t find one from IRCC’s website itself. But I’m sharing with you here the actual letter I wrote for my mother when she applied for her visitor visa in December 2019. Her visa got approved after one month.

But using this letter as your template doesn’t guarantee that your family member or friend’s visa will get approved. Again, as I’ve said already, IRCC will assess the person, not you, who’s applying for the visitor visa. It’s your family member or friend’s responsibility to submit proofs that they meet Canada’s immigration laws.

So, without further ado, here’s the sample letter of invitation.

Final Words on Writing a Letter of Invitation for a Visa to Canada

As mentioned in this post, a letter of invitation is among the required documents that your family member or friend needs to submit for their visa application to Canada. You should be the one to write and sign this letter. And in some cases, IRCC might ask you to notarize it. If this is the case, then you must send the notarized letter to your family member or friend. Then he or she must then send this letter to the Canadian embassy or consulate outside of Canada when he or she applies for a visitor visa.

In my mother’s case, IRCC didn’t ask us to notarize the letter.

Before you write the letter, remember these 3 things:

  • The letter of invitation doesn’t guarantee visa approval.
  • Even if you wrote the letter, it doesn’t mean you’re legally responsible for the person you’re inviting.
  • And, if you’re the one writing the letter of invitation, you don’t have to show any financial proofs.

So while the letter of invitation is required, IRCC’s decision to approve the visa application of your family member or friend will not be based on this letter. IRCC will assess the documents to be submitted by the visa applicant. These documents must prove that

  • your family member or friend has enough money to pay for their expenses while in Canada,
  • and that they will return to their home country as they promised.

I hope that this post, along with the sample letter and template, helps you to write your letter of invitation for your parents, siblings, or friends’ visa application to Canada. Best of luck with their application!

Hi, this is by far the best post and sample I have read very clear. although, in my case, I will be supporting my mother’s stay here in Canada. that means I need proof of funds right?

Hi Hayam, thank you so much for your kind comment 🙂 If your mother is applying for a visit visa, she is the one mainly responsible for her finances here so she should be able to prove to the visa officer that she has enough funds on her own. If you will be supporting her financially, she still has to have money on her own. In this case, you can show proof to the visa officer of your financial condition although as far as I know this is only optional. You can double check these info from IRCC’s website to be sure as I only based my answer on oir personal experience. Thank you 🙂

My wife, “Jarvxr Kaur” whose name is misspelled as “Jasvxxr Kaur” on my son’s passport, (an affidavit is provided as a supporting document from her) and I are planning to visit our son, “xxx xxx” in Toronto, at xxxxx St, ON, MXT 1X5 for two weeks, from May 28 to June 10, 2023. I am a retired truck driver who worked in UAE for the past 15 years. I resigned from my job in November, 2021 and returned back home to spend rest of my life happily and comfortably with my family at our house xxx, xxx xxx, Ward No. X, xxxxx, xxxx, xxxx, xxxx, xxx. We have been living there from quite a long time. Unfortunately none of our kids live with us now as my younger daughter too has moved to UAE in year 2021, with my elder daughter who both work in Dubai now. But as I am a kind of industrious person who can’t sit ideal, after a few months relaxing at home I started feeling bored and decided to run a small convenience store along with my wife in xxx, xxx. My wife and I have an equal partnership in this store. I have not met my son for almost 4 years and we are really looking forward to spending some time together during this summer. He really wanted us to enjoy the special occasion of his college convocation ceremony in 2021 but because of Covid he was not able to invite us. Therefore, this time we have planned to take two weeks off to visit our son. There is no one who could help us to keep the store running while we’ll be away so it will remain closed during our visit. As far as our parents are concerned, my parents are not alive but my mother in law and father in law are still alive. I myself have great affection towards a big family of 7 siblings. We all get together during special occasions and festivals. None of our family members or relatives are residing in Canada, with the exception being my son. My sister in law who works in UAE has a 9 year old son. Because of some financial reasons her husband too has to work in other province because he gets better work opportunities there. Thus there is no one to look after him other than his grandparents. So my wife has to occasionally visit them to make sure that her nephew is doing good. During our two weeks stay, we plan to travel around and explore Toronto, visit Niagara falls, visit one of our son’s friend who lives in Kitchener and mostly spend time with our son at his place. He has bought a service called CityPass with which you get admission to Toronto’s five attractions which includes: CN Tower Plus your choice of admission to 4 of the following attractions: Casa Loma, Royal Ontario Museum, Toronto Zoo, Ontario Science Centre, City Cruises Toronto (available May 1). Although you can visit the attractions at your own pace, in any order, over a 9-day period. But we might have to complete all of them before the whole trip falls into our laps and we don’t get enough spare time left to spend with our son considering how short this trip is going to be. As some of the attractions require timed and ticketed entry so our son has made reservations for them as they could quickly get fully booked in no time during summer. He has used it every time his friend visits him from Alberta. And he thinks that the service is amazing. There was so much over our son’s head if our trip would’ve been a bit longer. He believes CityPass service has so much to offer for every kind of person ranging from arts, sciences, history, & entertainment, and is suitable for every age group. According to him CityPass is something you definitely need when you come for the first time to the city. I have provided the following documents in the application: A business registration certificate under me and my wife’s name mentioning my wife as a partner , also mentioning me and her being only employees issued by Ministry of Micro, Small & Medium Enterprises (Government of India) registered under NIC Code 47, 4781, 47810 - Retail sale of food, beverages and tobacco products via stalls or markets; cashier’s receipt/ invoice for sellable products purchases clearly stating suppliers name, purchase date, description of the items with quantities and their prices is also attached. A notarized affidavits stating our business partnership is attached too. Accountant evaluated report of our house and other property investments under my wife’s name with notarized affidavits stating my co-ownership in them. Notarized legal property ownership documents translated from regional language to English along with original ownership documents. Report of available balance of $27914.23 CAD as proof of readily available funds in our joint bank account for our spending in Canada, evaluation of gold ornaments/jewelry that we own, a two wheeler vehicle, an approximate net worth of CAD 100k. 6 months of bank statements from our joint bank account stamped by bank attached as a proof for confirming the declared available balance of $27914.23 CAD. A small Fixed deposit amount under my wife’s name and one another small savings amount under my name from othe financial institution. This amount includes me and my wife’s savings made over a 15 years period of me working as a full-time permanent Truck Driver remunerated with a salary of UAE Dhirams 30,000 ($11057.40 CAD) per annum & my retirement fund. Income tax return too is attached herewith for both of us for financial year 2021-2022. All our International Travel History. My UAE residence cancellation letter confirming that I lived and worked there as a Truck Driver, visa stamps on all old passports. Visitor visa issued to my wife for her Dubai visit on 02-11-2021. Having been to UAE on a Work visa multiple times my past travels do not indicate overstaying or violation of the visa terms neither for me nor my wife. We only want to get this visitor visa to meet our son. We do not plan on working, or seeking work of any kind while on this visa. I’d be more than happy to get this letter notarized and provide any further documents should there be a need. Sincerely “Xxxx xxxx” 23 April 2023 Click to expand...
